Use this guide as a map of the whole Coachful platform. Each section explains what the feature is for, what you can do with it, and the practical choices that make setup easier.
Getting Started
Your first stop inside Coachful: the dashboard that reads your business back to you, the coach community, and the AI assistant that can build things for you.
Dashboard
The first screen you land on, and the one place that summarizes your whole business. Revenue, client health, who checked in today, what's on your schedule, and which clients to celebrate or nudge. Every widget can be reordered or hidden, so the things you actually act on sit at the top.
What you can do
- See revenue, client health (how many clients are doing well and how many aren't), and how many people checked in today
- Delivery section shows what's on your schedule today and which clients to celebrate or nudge
- Marketing section reads the signals from your connected accounts and tells you what to work on next
- Finish-your-setup checklist: connect your custom domain, Stripe, and social accounts, then invite your first client
- Reorder or hide any widget from Edit Dashboard: tasks, active programs, your goal, the community, the mobile app card
- Build a link-in-bio page branded to your platform instead of using Linktree
- Weekly launch sessions run Mondays and Wednesdays for questions on marketing, delivery, or the platform
- Switch to the client view of the homepage with one button to see exactly what your clients see
Pro tips
- Connect your domain, Stripe, and socials early. Coachful reads those signals, and everything downstream, from diagnostics to content, gets sharper the more it knows.
- Move the tasks widget to the center. Coaches who leave it in a corner stop looking at it by week two.
- Use the client-view toggle before and after every client-facing change. It is faster than guessing at what the change did.
Coach Corner
The community of Coachful coaches, living inside your own dashboard. Post an intro, ask questions, share wins, and keep up with calls and what other coaches are shipping.
What you can do
- Post an intro so other coaches and the Coachful team know who you are
- Ask any question about the platform, marketing, or delivery
- Post your wins and see other coaches' wins
- Stay up to date on calls and platform updates
- Meet coaches working in the same space as you
Pro tips
- Post your intro on day one. Coaches who introduce themselves get better answers, because people know what they actually do.
- Show up to the weekly session even when you have no questions. Watching another coach's problem get solved is usually where your next idea comes from.
Michelle (AI Assistant)
Coachful's own AI assistant. Ask it questions about the platform, or tell it to build you a program or a resource and it does it. Connect your WhatsApp number and you can hand it work from your phone.
What you can do
- Ask questions about the platform and your account
- Tell it to build a program and it creates one
- Tell it to build a resource and it creates one
- Chat with it on WhatsApp once you connect your WhatsApp number
- Runs on your monthly AI credits, the same pool used by the website builder and other AI features
Pro tips
- Be specific. "Build me a 6-week program for postpartum clients with weekly habits" produces something usable. "Build me a program" does not.
- Connect WhatsApp early. Your best ideas arrive away from your laptop, and this is how you catch them before they evaporate.
Client Experience
What your clients actually see and use every day to stay on track and build momentum.
Client Homepage
What a client sees when they log in: a dynamic check-in section, their goal, a daily tip, their daily focus tasks, habits, resources, upcoming sessions, and programs. Every section can be reordered or hidden from Edit Client Homepage, and you can preview the whole thing from your own account with one button.
What you can do
- Dynamic top section holds the check-in, the client's goal, and a daily tip you can edit
- Daily focus tasks and habits sit front and center, with resources, upcoming sessions, and programs below
- Rearrange or hide any section from Edit Client Homepage
- Optional widgets: leave a testimonial, download the Coachful mobile app, request a call, and the Client Journey step
- Enable the request-a-call widget from Customize > Homepage so clients can book without messaging you
- Clients get their own profile page with identity, goals, focus for the week, and habits, and its layout is editable too
- Preview it all by switching to the client view from your coach dashboard
Pro tips
- Put the one action you most want clients taking at the very top. Everything below the fold is read by a fraction of people.
- Only turn on the request-a-call widget if you actually want calls requested. It is the shortest path from a client to your calendar.
- Preview as a client after every layout change. It is a ten-second check that catches most mistakes.
Daily Focus Tasks
Clients see a capped daily task list on their homepage, pulled from their coach, their program, or set on their own. They open a task, edit it, and mark it done with a simple "I did it." The cap is a real Customize setting, and anything past it queues in a backlog rather than disappearing.
What you can do
- Homepage shows a daily focus list capped by a limit you set in Customize
- Tasks past the limit go to a backlog that can be reused or archived
- Tasks carry priority, public or private visibility, a due date, and repeat
- Clients open a task, edit it, tap "I did it" to complete it, or delete it
- Tasks are private by default; accountability mode makes tasks and goals visible in the community
- Program curricula push tasks onto specific days automatically: spread across the week, repeated daily, or all at once at the start
- Coaches add a task to a client directly from the client profile with the plus button
Pro tips
- Do not raise the daily limit just because a client asks. Ask why they need more first. The cap is what makes the system work.
- Keep tasks private by default. Only switch to accountability mode for cohorts that genuinely want peer pressure.
- A client stockpiling tasks in the backlog is telling you the program pace is wrong for them, not that they are lazy.
Habits
Recurring behaviors, distinct from one-off tasks. Habits track how many times they've been completed and are built on behavior science, including implementation intentions: when you do this, then do this.
What you can do
- Habits track completion count over time, unlike one-time tasks
- Built on behavior-science design like implementation intentions
- Clients add and manage their own habits from the homepage
- Program modules typically hold the habits for that stretch of the program
- Habits can count toward a client's streak, depending on the streak rules you set
Pro tips
- Name habits with implementation-intention phrasing ("after I pour my coffee, I journal"). It is built into how Coachful models them.
- Start clients on one or two habits. Full consistency on two beats half-consistency on five.
- Frame habits as the non-negotiables in your coaching language. They should feel automatic, not optional.
Goals
Clients set a goal from their profile or the homepage widget, and you control how that happens. Add your own questions, require a target date, and turn on AI validation so a vague goal gets checked against your methodology before it's accepted. Every goal carries its own milestones, a Tasks & Habits tab, and a Reflections tab fed by real check-ins.
What you can do
- Clients set a goal from their profile page or the homepage goal widget
- AI validation checks a submitted goal against a methodology you define and suggests a better one when it is unclear
- Goals support a target date, which you can require or leave optional
- Add milestones inside a goal, either a finish line or a percentage checkpoint (for example $2,000 as 20% of the goal)
- Each goal has its own Tasks & Habits tab and a Reflections tab fed by the client's evening and weekly check-ins
- Identity, a separate "I am a…" statement, sits alongside the goal on the client's profile and can be disabled
- View a client's goal progress and add a goal to them from their profile in your coach dashboard
Pro tips
- Turn on AI validation if you coach a specific methodology. It catches "get healthier" before a client commits to it for twelve weeks.
- Use percentage milestones for anything numeric and finish-line milestones for everything else.
- Skip identity statements if "I am a…" framing feels forced for your niche. It is optional for a reason.
Streaks
A running counter of consecutive engagement, but not locked to one definition. You decide in Customize what counts, whether weekends count, and whether a client gets a grace break before the streak resets.
What you can do
- Define what counts toward a streak: a morning check-in, at least one task, at least two tasks, habit completion
- Exclude weekends from streak tracking entirely
- Give clients a streak break so one missed day does not wipe the count
- Streak counter shows on the client's homepage as a gamification hook
- The streak appears on the client's profile in your coach dashboard alongside task completion and check-in rate
Pro tips
- Exclude weekends for most niches. Forcing a Saturday check-in to protect a number breaks more streaks than it builds.
- Wire streaks to habits, not just tasks, if repetition is the behavior you actually care about.
- Enable the streak break before you need it. Losing a 40-day streak over one missed Tuesday is how you lose the client, not just the number.
Client Journey
A step-by-step path you build for a client where only the current step is visible. They complete it, mark it done, and the next one appears. Build it once and it replaces most of what you would otherwise explain by hand.
What you can do
- Build a journey from steps: goals, milestones, tasks, habits, sessions, worksheets, coach review, and more
- Clients see one step at a time, and marking it complete reveals the next
- Add the journey as a widget on the client homepage or on their profile
- See where a client currently sits in their journey from their profile in your coach dashboard
- Reorder and edit steps from the Client Journey builder at any time
- Ideal for simple sequencing: watch this video, then do this task, then attend this session
Pro tips
- Use it for anything you would otherwise explain on a call. It is the best onboarding tool on the platform.
- Make the first step trivially easy. Get a yes before you ask for real effort.
- Use a coach-review step as a checkpoint before anything high-stakes, so nothing advances without your eyes on it.
Social Feed & Stories
One community feed for everyone on your platform, separate from each program's own community. Clients comment, like, react, share, and save. Stories live in the feed and generate themselves when a client checks in. What a client's tasks and goals reveal depends entirely on whether you run privacy or accountability mode.
What you can do
- One feed for everyone signed up on your platform, distinct from per-program communities
- Clients comment, like, leave reactions, share, and save posts
- Multi-channel feed splits it into sections you define: a wins section, an updates section, a general section, and more
- Automatic stories appear when a client checks in, summarizing the day they completed
- Stories draw on tasks and goals ("what I'm focusing on today") when accountability mode is on, and stay hidden in privacy mode
- Clients can add their own pictures to what they share
- Feed settings control what gets ordered first, and the platform-wide feed can be disabled entirely in Customize
Pro tips
- Turn on multi-channel once a single feed starts feeling noisy. Splitting late is easier than trying to un-split.
- Decide privacy versus accountability before clients join. Flipping it on after people have posted private tasks breaks trust.
- Auto-generated check-in stories are the cheapest engagement on the platform. They cost the client nothing extra to produce.
Vision Boards
A resource type built for manifestation-style planning. Build one for a client, build it with them, or let them build it themselves. It shows up alongside their other resources on the client homepage.
What you can do
- Create a vision board as a resource: coach-built, co-built with the client, or client-built
- Clients reach it from the resources section of their homepage
- Behaves like any other resource: assignable, listable in Discover, or attached to a program
- Content Planner's Create tool films a vertical video against one of your vision boards, with camera framing and caption styling
Pro tips
- Use a vision board as an early Client Journey step. It sets emotional direction before the tactical program content starts.
- Revisit it mid-program on a live call. "Does this still feel true?" is the easiest honest check-in question you will ever ask.
Recognition & Badges
Achievements, levels, and badges you define and award to clients. Give them inside a journey or a program, or automate them so they fire the moment a client does something. They post into the client's feed and chat as a visible moment of recognition.
What you can do
- Create achievements, levels, and badges with your own names
- Award them in a client journey or in a program, based on what the client achieved
- Or automate it: if a client does this action, give them this badge
- Badges appear in the client's feed and in chat, so recognition is public
Pro tips
- Name badges in your own methodology's language. "Master of the Morning Reset" lands harder than "Level 3."
- Automate the trigger. Manual recognition is the first thing that falls off the week you get busy.
- Award close to the action that earned it. Batching recognition at the end of the month drains it of meaning.
Core
The essential tools for running your coaching business day to day.
Clients
Your central hub for every coaching relationship. Open a client and you get an AI brief on where they stand, then dig into tasks, habits, check-ins, worksheets, program progress, notes, and billing, all from tabs on one profile.
What you can do
- AI brief on every profile summarizes recent activity, sessions attended, and notes, and suggests what to do about them
- Header shows streak, task completion, check-in rate, next session, latest check-in, and program progress, plus a full activity timeline
- Progress views for tasks, habits, and overall consistency, filterable by tasks, habits, or all activity
- Add a task, a recognition or achievement, or a goal directly from the profile with the plus button
- Reflections tab holds their morning, evening, and weekly check-ins; Worksheets tab shows every form they filled in with their actual answers
- Access tab shows what's assigned and lets you assign a task, resource, program, bundle, or agreement; Completions tracks page-by-page library progress and lesson-by-lesson course progress
- Notes tab holds a master note summarizing the client, plus separate threads for notes they submitted to you and notes you wrote about them
- Billing & agreements shows what they purchased and their session credits, and lets you grant a session credit so they can book without paying
- Pause a client's access temporarily, or set a custom negotiated session price that applies only to them
Pro tips
- Read the AI brief before anything else on the profile. It is faster than scrolling a client's whole history before a call.
- Pause a client instead of removing access when they go quiet for a few weeks. Everything stays intact for when they come back.
- Grant a session credit instead of promising a free call in chat. It shows up on their profile so they can actually book it.
Sessions
Every session type lives here: one-on-ones, group and community sessions, intake calls, live events, and webinars, color-coded on one calendar. Set your availability, control how clients can book you, connect outside calendars, and get an AI summary after every call.
What you can do
- Calendar shows every session type color-coded with a legend, plus list view, a filter for only events you're subscribed to, and month, week, or day views
- Connect Google Calendar or Outlook to see your outside events on the same calendar
- Availability tab sets your weekly schedule and blocks specific times, one-off or upcoming
- Client booking has three modes: direct booking, request-to-book that you approve, or disabled
- Host sessions on Google Meet, Zoom, or inside Coachful itself, with events fetched and synced both ways
- Schedule a call in a few steps: pick the type (intake, one-on-one, group, live event, webinar), the client, a location, and a time, then send a proposal or confirm it outright
- AI summaries auto-generate after every Coachful call; feed the summary into the client's next-day tasks, auto-fill your session notes, or get coaching feedback on talk time, directive moments, and missed threads
- Session types control who the session is for, availability, how you meet, how booking happens, and whether you collect a phone number
- Clients can request a call from the chat, from a request-a-call widget on their homepage, or from inside a program with a monthly limit you set
Pro tips
- Read your own AI coaching feedback for a few weeks. The talk-time and directive-moment numbers are more honest than your memory of the call.
- Set client booking to request rather than direct if you don't want your calendar filling without a look first.
- Give program call requests a real monthly cap instead of unlimited. It reads as a benefit rather than an open tab on your time.
Programs
Programs are how you deliver your methodology on a schedule. Structure the curriculum into weeks and modules, decide which day each task, lesson, or practice lands on, and edit the shared template or one client's version independently. Every program can carry its own community, chat, and call allowance.
What you can do
- Content is a template by default, so editing it once means every new client gets that version; open one enrolled client and your edits apply only to them
- Structure the curriculum into weeks and modules; modules typically hold the habits, weeks hold goals, description, and tasks
- Control how a week's tasks land: spread across the week, repeated daily, all at once for self-pacing, or pinned to specific days such as days 2, 4, and 5
- Weeks run Monday to Friday or Monday to Sunday depending on your weekends setting
- Attach any resource to a specific week; for a course, choose exactly which lessons appear that week, and optionally pin a resource to a specific day
- Flag a resource as a task too, so "watch this video" is trackable like any other task
- Add practices, which are multimedia walkthroughs of a specific action, and program notes as a two-way thread with the client
- Schedule a session with an enrolled client from inside their program
- Attach a community: a 1:1 program gets a community of all your 1:1 clients, a cohort program gets a community of that cohort, and you can add a program chat
- Program settings let clients request calls from inside the program, with a monthly limit you choose, shown to them with calls remaining
Pro tips
- Build the template first and only open a specific client's version to handle a real exception. Otherwise you drift into hand-managing every client.
- Pin tasks to specific days for programs with a real weekly rhythm. Use spreading or self-pacing for reading and reflection material.
- Add a community to group programs. Peer accountability is doing work you would otherwise do yourself in DMs.
Resources
Resources are your reusable intellectual property: courses, guided libraries, vision boards, videos, articles, worksheets and forms, downloads and PDFs, AI chatbots, podcasts, books, and links. Build one, decide whether it's listed in your marketplace or hidden and assign-only, price it if you want to sell it, and reuse it across programs and bundles.
What you can do
- Create any resource type and edit it inline in a simple builder
- Per-resource settings control marketplace listing versus hidden and assign-only, whether it's included in a program, and whether pricing is enabled (selling requires Stripe connected)
- Priced resources get their own purchase popup or landing page
- Courses are built from lessons holding video, audio, or slides, can pause into a worksheet or quiz, and take attachments, including an AI chatbot that answers questions about the course
- The library resource is a Notion-style nested-page builder for presenting information
- Worksheets and forms support single choice, multiple choice, short answer, scale and number steps, plus page breaks, scoring, categories, and logic
- Turn on tracking for a worksheet to send it to clients on a recurring cadence, then review every response and watch one client's score trend across attempts
- Books display in a reader with completion tracking; podcasts hold episodes with uploaded audio
- Assign a resource three ways: from the client's Access tab, by sending it directly (in-app notification plus email), or by building a funnel around it for a shareable link
Pro tips
- Attach an AI chatbot to a course so clients ask it questions about the material instead of DMing you at 11pm.
- Use page breaks on any worksheet longer than a handful of questions. One long scroll is where completion goes to die.
- Send through a funnel rather than a raw send for anything you want to build a list from. You get the email capture before the resource unlocks.
Bundles
Bundles group anything you sell into one package: a program with a course, plus a session, plus whatever else you want. They sit in the Discover marketplace next to your programs, resources, and sessions, and they're one of the things you can assign directly to a client.
What you can do
- Combine any mix of programs, resources, and sessions into one package
- Create a bundle and choose exactly what goes in it
- Bundles list in the Discover marketplace alongside programs, resources, and sessions
- Assign a bundle to a client from their profile's Access tab, the same way you assign a task, resource, program, or agreement
- Sell a bundle through a funnel's payment step, which grants access the moment someone pays
Pro tips
- Bundle a program with the sessions it needs instead of pricing them separately. One price is an easier yes than a la carte.
- Use a bundle to build a lower-commitment stepping stone, like a course plus one call, into your flagship program.
Sales & Pipeline
Turn interest into paying clients: track every lead, run discovery calls and webinars, and convert with funnels and your marketplace.
Prospects & Pipeline
Coachful ships a CRM that catches every lead before they become a client, whether they arrived through your newsletter, a webinar, your website, or a funnel. Leads land on a board you drag through stages, and each one can be enriched, dropped into a sequence, or acted on from the suggestions Coachful surfaces.
What you can do
- Leads flow in automatically from your newsletter, webinars, your Coachful website, and your funnels
- Visualize the whole pipeline on a board and drag leads between stages
- Enrich a lead with one click to pull in more information about them
- Add a lead to a sequence directly from their card
- Get suggestions on what to do next per lead, based on your data
Pro tips
- Enrich before you call. You walk into the conversation already knowing something, instead of cold.
- Move leads through stages as you actually work them. A board that isn't current stops telling you the truth about your pipeline.
- Put a lead on a sequence the moment it lands. Almost nobody converts off a single touch.
Intake Sessions
Intake sessions are your discovery calls, the ones you run with people who aren't clients yet. They get their own view separate from your client calendar, so you can see status at a glance: completed, no-show, or converted.
What you can do
- Schedule an intake session with prospects, meaning people who are not yet your clients
- See every intake in one granular list, separate from client sessions
- Track status per intake: completed, no-show, or converted to client
- Create a new client directly from an intake record
- Create multiple intake session types such as discovery call, strategy session, or deep dive
- Price an intake session or keep it free
Pro tips
- Watch the no-show rate. A high one usually means your booking flow isn't qualifying people before they hit your calendar.
- If you're testing paid versus free discovery calls, this view is where you find out which one actually produces clients.
- Name each intake type for what the prospect gets. People self-select better when the label tells them what they're walking into.
Webinars
Both ways coaches sell to a room: a live session you present at a set time, or an automated version that plays on its own schedule. Run it live first, then turn the recording into your evergreen replay complete with the original chat and interactions, and sell in the moment with a payment popup inside the webinar.
What you can do
- Create a live webinar or an automated webinar from the same Schedule flow
- Turn a finished live webinar's replay into an automated webinar
- The replay carries over the original chat and interactions from the live session
- Open a payment popup inside the webinar so people can buy in the moment
- Webinar reminders send automatically from your own white-labeled email
Pro tips
- Run it live the first time. You find out what actually lands before you commit it to automation.
- Keep the real recording for your replay. A clean re-record loses the energy that made people buy.
- Have the payment popup ready for where attention peaks, not bolted onto the very end.
Funnels
Funnels are the sequence of steps you take someone through: landing page, form, booking, payment, confirmation, in whatever order you choose. A payment step sells any program, resource, session, package, or bundle and grants access the moment they pay. Pair an email capture step with a resource delivery step and you have a lead magnet.
What you can do
- Build a multi-step sequence in the order you define
- AI usually has a funnel built for you at signup, and you can edit or build your own from scratch
- Use one of your existing worksheets or forms as a questionnaire step instead of rebuilding it
- A payment step's "Access an offer" attaches a program, resource, session, package, or bundle and grants access automatically on payment
- Override the price inside the payment step itself, independent of the item's normal price
- Pair an email capture step with a resource delivery step for a classic lead-magnet flow
- Add conversion elements like testimonials, trust logos, video, countdown timers, and sticky bars
- Design a step with Coachful AI, or drop in a custom HTML block for anything the builder can't do (also works on the website)
- Copy a shareable link for any funnel to email or post anywhere
Pro tips
- Send a resource through a funnel instead of a raw file link. The email capture step alone pays for the extra few minutes.
- The price override on the payment step is how you run a limited-time discount without touching the program's real price.
- Reach for the custom HTML block the moment the visual builder fights you, rather than spending twenty minutes on section settings.
Discover Marketplace
Discover is the client-facing marketplace where everything you sell lives in one place: programs, bundles, sessions, courses, events, guided libraries, videos, podcasts, books, downloads, worksheets. Clients browse it, buy in one click if their card is saved, and everything they purchase lands under My Content.
What you can do
- Storefront listing everything you sell, from programs and bundles to events, courses, podcasts, books, and downloads
- One-click purchase for anyone with a card already saved, standard checkout otherwise
- Purchased items appear automatically under My Content
- Switch the browse view between list and grid, and filter by content type
- Discover settings control ordering, meaning what a client sees first
- Each resource has its own toggle to list it here or keep it hidden and assign-only
Pro tips
- Anything you don't want a stranger stumbling onto and buying should stay off Discover. That toggle exists for a reason.
- Put something small and cheap on Discover, not just your flagship. First-time browsers need an easy yes before a big one.
- Use Discover settings to push your best seller to the top. Most people read the first few cards and stop.
Marketing
Grow your audience, publish everywhere, and own the channel that reaches them.
Website & Pages
Your homepage, sub-pages, and blog, edited visually with no code. The same domain shows two experiences automatically: your marketing site to logged-out visitors, your platform to logged-in clients. The AI has usually already drafted most of it by the time you arrive, and every section carries its own toolbar.
What you can do
- Build and edit your homepage plus sub-pages such as about, contact, and offer-specific landing pages
- AI has typically already created a lot of your site at signup, so you're editing rather than starting blank
- Every section has a design icon for theme and section settings, plus an AI tool to rewrite that section's copy or design
- A separate AI tool works across the entire website rather than one section
- Reorder sections with arrows, duplicate a section, or save one as a template to reuse on other pages
- Add a custom HTML block anywhere the visual builder can't reach
- Same domain serves your marketing site to logged-out, incognito, or new visitors and your platform to logged-in clients
- Edit the top menu directly, including its buttons
- Write and publish blog posts the way you would in WordPress
- Submissions collects everyone who filled in your contact form or newsletter opt-in
Pro tips
- Start by editing what the AI already built. Most coaches need far less new work here than they expect.
- Touch the section design settings before you touch the copy. Most of a section's feel comes from theme and spacing.
- Save any section you like as a template the first time you build it. You will reuse it across every landing page you make.
Email & Broadcasts
Coachful's built-in email tool, built so you never need a separate one. Connect a sending address and every automated message to your clients goes out white-labeled from it. Then send one-off broadcasts to a list, segment, or funnel audience, or trigger multi-email sequences off events like a funnel completion.
What you can do
- Connect a sending email, using a dedicated address rather than a domain you already read mail on in Google Workspace or Outlook
- Once connected, session reminders, webinar reminders, task reminders, and habit reminders go out from your own white-labeled email
- Create broadcasts with a subject line, preview text, and an audience: a list, specific members, everyone who opted in through a funnel, or an uploaded CSV
- Build multi-email sequences with delays between sends, triggered by an event such as being added to a list
- Wire an automation to feed a sequence, for example adding everyone who completes a funnel to a list
- Build segments and lists from rules and conditions, or from tags
- Suppress specific people so they stop receiving your emails
- Send yourself a preview of any email before it goes out
Pro tips
- Set up a dedicated sending address before you need it. Reusing the domain of an inbox you already read mail on will conflict.
- Trigger sequences off an event like funnel completion rather than adding people by hand. You will never remember to do it manually.
- Suppress complainers immediately. It protects deliverability for every email you send after that one.
- Preview to yourself before every broadcast. It is the cheapest way to catch a broken subject line or the wrong list.
Content Planner
Plan, draft, and publish social content without leaving Coachful. Connect your accounts once, write a post or leave just a video script as a draft to record later, pick your platforms, and publish or schedule. An ideas generator and a Create tool for filming vertical clips round out the tab.
What you can do
- Connect your social accounts so you post from Coachful instead of logging into Instagram, Facebook, and YouTube separately
- Click New Post to write a caption, or save just a video script as a draft to come back and record
- Choose which connected platforms a post goes to, then publish immediately or schedule it
- Generate content ideas on demand instead of starting from a blank page
- Visualize your content and move a piece from draft to scheduled
- Use Create to film a short vertical video against a vision board, with a built-in camera, adjustable caption styling, and a squircle or rectangle frame you can reposition
Pro tips
- Save the video script the moment the idea hits, even if you can't film it. That is what turns a thought into a posted video.
- Treat generated ideas as raw material, not finished posts. Run everything through your own voice first.
- A pile of stalled drafts is the earliest sign your content is slipping. Check it weekly.
Paid Ads
Launch and monitor ad campaigns without leaving Coachful. Connect your Meta and Google accounts, click New Campaign for a guided setup, and get one overview of what you're spending across both platforms so you're never flying blind on ad spend.
What you can do
- Connect your Meta and Google ad accounts
- Click New Campaign for a guided setup that walks you through creating one
- Switch between seeing every campaign on the connected account and only the ones launched from Coachful
- See one overview of spend across Meta and Google together
Pro tips
- Check the cross-platform spend view weekly even when you aren't actively running ads. It is how you catch a forgotten ad set still burning budget.
- Launch new campaigns from Coachful so they show up in the Coachful-only view. It makes it obvious which ones are yours versus legacy.
Engagement & Automation
Stay connected across every channel, run the guided moments of the client journey, and automate the busywork behind it.
Chats
Control who can message you directly, organize your chat list, and mix public, private, group, and program chats however you want. This is also where you switch on an AI coach bot that talks to clients in your voice.
What you can do
- Control who can chat one-on-one with you: only 1:1 program members, all program members, or everyone
- Reorder your chat list and pin key chats to the top, such as announcements or "work with me"
- Create public chats, private chats (for example only people with access to a specific course), group chats, and program or community chats
- Give each chat its own icon
- Disable members from sending messages when a chat should be announcement-only
- Enable the AI coach bot inside your chats
Pro tips
- Pin an announcements or "work with me" chat to the top. It is the first thing clients see, so make it the thing you want them acting on.
- Restrict 1:1 DMs to program members if you don't want to field messages from everyone on your platform.
- Use a private chat gated to one course as a light-touch upsell. Access to the room is part of what they bought.
Coaching Flows
The guided moments in a client's journey: check-ins, goal setting, identity, and program completion, all built on the same step builder as funnels. Learn one and you know them all. Add, hide, reorder, or delete any step, or build a brand-new flow from scratch.
What you can do
- Edit the check-in flow step by step, then preview it before it ships
- A typical evening check-in runs: how did today go, how was your day overall (steady, mixed, amazing), then an optional reflection with a voice note option
- Create custom check-ins from scratch with New Flow
- Build the goal-setting flow, add your own questions, require a target date, and turn on AI validation against your methodology
- Build the identity flow, a personal statement clients set for themselves, or disable it entirely
- Build a program completion flow that pops up when a client finishes, including an offer for another program
- Same step-builder architecture as funnels, goals, identity, and onboarding
Pro tips
- Add the voice note option to your reflection step. You get texture a rating scale will never give you.
- Turn on AI goal validation if your methodology cares how goals are framed. It catches the vague ones before you have to.
- Use the program completion flow to sell the next program. It fires exactly when motivation is highest.
Onboarding
The flow a new client goes through the first time they join your platform, built with the same step builder as check-ins and funnels. Use it to collect what you need right when someone lands.
What you can do
- Fires automatically the first time a client joins your platform
- Build the flow with the same step builder used for check-ins, goals, and funnels
- Add, hide, reorder, and delete steps, and preview any of them
- Use it to collect information about a client at the very start
Pro tips
- Keep it short. This is a first impression, not an intake form.
- Because it shares the step builder with funnels and check-ins, anything you learn editing one transfers straight over.
Messages, WhatsApp, SMS & Push
Every non-email channel you reach clients on. Send chat messages one-to-one or en masse, connect WhatsApp, use SMS for utility moments, and fire push notifications. Customize > Communications decides which channel each notification type actually uses.
What you can do
- Send chat messages to one person or en masse, now or scheduled
- SMS is utility only for now: event reminders, one-on-one reminders, reschedules, call requests, not marketing
- Connect WhatsApp, and put Michelle on WhatsApp so you can hand it work from your phone
- Send push notifications to your clients
- In Customize > Communications, choose which channel each notification type uses: email, WhatsApp, in-app, or push
- Call scheduling notifications in particular can be routed per channel and per day
Pro tips
- SMS is not a marketing channel yet. Keep it to reminders and reschedules and you keep the channel healthy for when it is.
- Route anything time-sensitive to WhatsApp or push. Email is where a same-day reschedule goes to be missed.
- Schedule mass chat messages rather than sending them live. It keeps your own evening free and lands them at a sane hour.
AI Coach Bot
An AI bot you train on your own methodology, personality, and voice, then enable inside your chat so it coaches clients directly. It can open with something like "let me take a look at your week so far," and clients can talk to it with voice notes instead of typing.
What you can do
- Train the bot on your own coaching methodology and personality
- Train it on your own voice so its messages sound like you
- Enable it in your chats, where it coaches clients directly
- It can send voice notes to your clients
- It can listen to a client's voice notes, so clients can converse with it by voice
Pro tips
- Feed it real material. Actual frameworks and session language produce a far more convincing voice than a paragraph describing your style.
- Use it as the between-sessions layer, not a replacement for live calls. Its strength is the daily touches you cannot do at scale.
- Read a few of its client conversations in the first week. Catch tone problems before your clients do.
Automations
If this happens, then do this, across the whole platform. Trigger off a funnel signup, a community join, a program enrollment, or an Instagram comment, and let the action fire without you clicking anything.
What you can do
- Build if-this-then-that automations: pick a trigger, pick an action
- Triggers include someone signing up to a funnel, joining a community, or joining a program
- Actions include sending an email, adding someone to a course, adding them to a community, and sending reminders
- Automate Instagram: when someone comments a keyword on your post, send them a message
- Award a badge automatically when a client completes a given action
- Feed your email sequences by adding people to a list automatically
Pro tips
- Set up the Instagram comment-to-DM automation before you run a "comment KEYWORD" post, not after. It is the whole mechanism the post depends on.
- Chain it into email: auto-add to a list on funnel completion, then let the sequence do the follow-up.
- Automate the grants you would otherwise forget, like badges, community access, and course access. Nothing important should depend on you remembering to click.
Integrations & Connections
Wire Coachful into the rest of your stack: webhooks for advanced setups, connections to the apps you already use, and API keys for automation platforms.
What you can do
- Add webhooks for more advanced users and custom setups
- Connect Zapier or OttoKit to link Coachful with your other apps
- Connect Notion through Coachful's MCP
- Connect Google Calendar and Slack
- Connect Claude, and have it write your website, pages, funnels, programs, content, and AI tools
- Connect Substack
- Generate API keys for Zapier or other automation platforms
Pro tips
- Start with Zapier or OttoKit before reaching for a webhook. It covers most app-to-app needs without engineering help.
- If you already work inside Claude, connect it here. It can build funnels and programs directly instead of you copy-pasting instructions back and forth.
- Hand webhooks and API keys to whoever runs your ops. This is not the page to fight with solo at midnight.
Custom Code
Build custom layouts in flows and funnels, or interactive HTML and JavaScript resources, while keeping payments, authentication, and private account data inside Coachful's secure components.
What you can do
- Design funnel and coaching-flow steps with sanitized HTML and supported Coachful slot markers
- Build calculators, assessments, exercises, and visual tools as sandboxed custom-code resources
- Use JavaScript inside sandboxed resources without giving it access to Coachful cookies, authentication, or the parent dashboard
- See which surface supports HTML, JavaScript, tracking code, or native Coachful actions
- Copy supported slot examples for answers, forms, email capture, signup, scheduling, media, and navigation
- Follow the security checklist for secrets, personal data, external requests, and third-party scripts
Pro tips
- Never paste an API key or secret into browser code. Visitors can inspect everything sent to their browser.
- Use native Coachful blocks for payment, signup, access, completion, and scheduling. Custom code should handle presentation and contained interaction.
- If a funnel layout needs JavaScript, build that interactive experience as a custom-code resource instead of trying to bypass the funnel sanitizer.
Business & Growth
Track performance, get paid, grow through referrals and rewards, and find the one thing actually holding your business back.
Analytics
Every layer of the business in one view: how engaged each client is, which communities and funnels are working, which products sell, and whether people stay. It's the data other tabs show you piecemeal, pulled together so you see the pattern.
What you can do
- Per-client analytics: activity level, last active, task completion, time spent on the platform, content completion, and an overall score
- See which communities each client belongs to alongside their engagement
- Community-level analytics across your platform
- Funnel analytics: what's converting, which funnels perform best, and the revenue each one produced
- Product analytics: which of your coaching products, content, and resources is doing best
- Retention analytics: how long clients stay, completion rates, and churn levels
Pro tips
- Check funnel analytics before you scale ad spend. Fund the funnel that already converts, not the one you like most.
- Activity level and task completion dipping together is your earliest churn signal. It shows up before the streak breaks.
- Product analytics tells you what to build more of. If one program consistently outperforms, that is your next cohort's template.
Payments & Invoices
Connect Stripe and every sale on the platform runs through it into your own bank account. From here you also send invoices, set currency, business info, and tax details, grant a client a session without a purchase, and negotiate a custom price for one person.
What you can do
- Connect Stripe, which is required before you can enable pricing on anything you sell
- Send an invoice to a client directly
- Set your currency, business information used on invoices, invoice settings, and tax settings
- Grant a client a session credit so they can schedule without buying
- Set a custom negotiated session price for one specific client
- Enable pricing on any resource, program, course, or bundle once Stripe is connected
- Coachful also supports Razorpay alongside Stripe Connect
Pro tips
- Connect Stripe on day one, even before you're selling. Nothing with a price on it works until you do.
- Use custom session pricing sparingly and note why on the client's profile. You will not remember the negotiation in six months.
- Granting a free session credit is the cleanest way to comp someone without touching your pricing at all.
Referrals
Build a referral program on any product: decide what a referrer earns for bringing someone in, and what the referred person gets on their first payment. One thing to know going in: Coachful tracks everything and tells you exactly how much to pay each referrer, but you make the payout yourself.
What you can do
- Enable referrals on specific products rather than platform-wide
- Add people as referrers and set their reward: a money amount, a percentage, a free month, or something else
- Choose which funnel a referral runs through
- Set a separate offer for the referred person, up to 100% off their first payment
- See who referred whom and who has been referred so far
- Coachful tracks everything and tells you how much to pay each referrer, but does not make the payout for you
Pro tips
- Ask for referrals right after a client hits a milestone. That is when satisfaction and willingness to vouch for you peak.
- Since you are the one paying out, keep the referrer reward simple enough to track without a spreadsheet. A flat amount beats a tiered percentage.
- Don't confuse this with Coachful's own refer-a-coach program under Plan & Billing. Different program, different tab.
Discounts & Loyalty
Discount codes are enabled by default on every payment step, so clients can redeem a code at checkout with no extra setup. Loyalty is the other half: everyday actions like finishing a course or logging ten morning check-ins earn points that clients redeem in their own Rewards Marketplace.
What you can do
- Create discount codes that give a percentage off or a free item at checkout
- Discount codes are enabled by default on every payment step, and can be disabled on a specific step
- Set up loyalty so actions like completing a course or doing 10 morning check-ins earn points
- Clients claim rewards in the Rewards Marketplace, which appears in their profile settings
- Decide exactly what the rewards are, from branded items to a badge to a live workshop seat
- See which members have earned rewards and who still needs fulfillment
Pro tips
- Make the loyalty reward something clients cannot simply buy. A live workshop seat or time with you beats a discount code every time.
- Check the fulfillment list on a schedule. A loyalty program that promises and then goes quiet costs you more trust than it ever bought.
- Disable discount codes on payment steps where you never want a code used, like a founding-price offer that is already your floor.
Growth Lab
Growth Lab does marketing legwork for you. Market Pulse, on the Pro plan as Coachful Intelligence, shows the winning ads and posts in the coaching niche so you can see what's already working. The automation side drafts blogs, social posts, LinkedIn posts, and reel scripts, and can publish them, including backlinks through Coachful's private coach network.
What you can do
- Market Pulse / Coachful Intelligence on the Pro plan: browse winning ads and top-performing posts in the coaching and info-business niche
- Filter Market Pulse to your specific niche
- Auto-create and publish blog posts
- Auto-create social posts and LinkedIn posts, and draft reel scripts from information you give it
- Send emails and post to X automatically
- Get backlinks for your blogs through Coachful's private coach network
- Toggle automatic posting on or off in settings, and review drafts manually before anything goes out
Pro tips
- Leave automatic posting off at first. Run it manually, review a few weeks of drafts, and only hand it the keys once you trust the voice.
- Market Pulse is for education, not imitation. See what converts in your niche, then make your version.
- The content engine is only as good as what you feed it. A vague brief gives you a generic reel script every time.
Diagnostics
Coachful's whole philosophy is one pattern: capture attention, turn it into a lead, and take it from there. Diagnostics tells you which step you're in right now, where your constraint is, and what you should be working on. There's a full explainer video on the tab itself, and it earns the time.
What you can do
- Tells you which step of the growth pattern your business is currently in
- Names your constraint, the thing actually limiting growth right now
- Tells you what to work on next based on that constraint
- Reads from what you've connected, so it sharpens as more of your business lives in Coachful
- A full walkthrough video sits on the tab itself
Pro tips
- Watch the explainer on the tab before anything else. It is the one section deliberately left out of the platform tour because it needs its own.
- Work the named constraint, not the whole list. Picking your favorite problem instead of the real one is how months disappear.
- Finish your setup first. Diagnostics is only as good as the accounts and data you connected.
Team
For coaches working with a virtual assistant or another coach. Add them to your account, then hand them real responsibility: a session, a program they become the guide for, or a specific client they own.
What you can do
- Add a virtual assistant to your account
- Add another coach to your account
- View all team members in one place
- Assign a session to a team member
- Assign a program that a team member becomes the guide or coach for
- Assign a specific client that a team member is now responsible for
Pro tips
- Assign at the program level when a coach runs a whole cohort. It is far less to maintain than reassigning clients one at a time.
- Give a new VA one clearly scoped responsibility before handing over more. Expanding access is easier than clawing it back.
Settings & Account
Make the platform your own: branding, homepage layout, privacy controls, compliance, billing, and where to get help.
Customize
Turn the platform into your own: logo, colors, announcement bar, homepage layout, and every piece of client-facing text. Coachful gives a lot of customization here on purpose, because this is meant to feel like your platform, not a rented one.
What you can do
- Upload a horizontal logo for the expanded sidebar and a square logo for when it's minimized
- Set separate logo options for dark mode, and adjust logo size
- Set your business name and brand color
- Remove "Powered by Coachful" entirely
- Add a client announcement bar and choose whether it shows everywhere or only in selected places
- Set your platform's language
- Change the layout of your client homepage section by section
- Language & Menus rewrites client-facing text and button labels in your own words
- Add custom menu items, for example a menu item dedicated to a single event
Pro tips
- Turn off "Powered by Coachful" the day you go live. Full white-label is the entire point of a custom domain.
- Use the announcement bar for something time-bound and take it down after. A permanent banner becomes invisible within a week.
- Rename the generic labels to your niche's language. It is a small edit that makes the platform stop feeling rented.
Privacy, Streaks & Accountability
How much of a client's activity other members can see, what counts toward a streak, and how many tasks appear at once. Privacy mode is the default and hides tasks and goals from the community. Accountability mode makes them visible so clients keep each other honest.
What you can do
- Switch between privacy mode (tasks and goals hidden) and accountability mode (tasks and goals visible in the community)
- Define what counts toward a streak: a morning check-in, at least one task, at least two tasks, and so on
- Exclude weekends from streaks, or give clients a streak break
- Disable the platform-wide social feed if you don't want an org-level community
- Disable activity stories
- Set the daily focus limit; tasks beyond it go to a backlog clients can reuse or archive
Pro tips
- Keep privacy mode on for any niche where clients would not want their struggles public: health, finance, recovery. Save accountability mode for cohorts that asked for pressure.
- The daily focus limit is your strongest lever against overwhelm. Set it low and defend it.
- Weekend exclusion matters more than it looks. A client who loses a streak on a Saturday they never intended to log in tends to disengage entirely.
Domains & Communications
Connect your own domain so clients see your URL instead of a coachful.co subdomain, and decide which channel each client-facing notification goes out on.
What you can do
- Connect a custom domain, or rename your default Coachful subdomain
- Add the DNS records Coachful gives you to your host, and your domain goes live
- Define what gets sent by email, by WhatsApp, and as a push notification
- Control notification timing and channel per type, which matters most for call scheduling
- View your sending DNS and email settings in the same place
Pro tips
- Connect your custom domain before you start pointing ads or funnels anywhere. It carries more trust than a coachful.co link.
- Route reschedules and same-day reminders off email. Those are exactly the messages email loses.
Coachful Marketplace Listing
An opt-in listing on Coachful's own public marketplace, separate from your org's internal Discover tab that only your signed-in clients see. Enable it and people browsing Coachful itself can find you.
What you can do
- Enable a public listing for your organization on Coachful's marketplace
- Choose a profile listing or a program listing
- Puts you in front of people already browsing Coachful, a different audience from your own website traffic
- Entirely opt-in, so leave it off if you don't want public discovery
Pro tips
- This is a separate acquisition surface from your Discover tab. Worth switching on if you want inbound from inside the Coachful ecosystem.
- List a specific program rather than a generic profile. "I'm a coach" converts far worse than a named offer.
Compliance & Data
For coaches who need to handle client data carefully: a mode for being more careful about how data is shared, double opt-in for your newsletter, a data processing agreement on request, and control over which pages act as your legal pages.
What you can do
- Enable a mode for being more careful with how client data is shared, with a full description in-app before you turn it on
- Turn on double opt-in so newsletter subscribers confirm by email first, with editable wording
- Request a data processing agreement from Coachful
- Choose which of your pages serve as your privacy policy and terms
- Export everything
Pro tips
- Read the in-app description of the careful-data mode before enabling it. It changes how data is shared, so it is not decorative.
- Double opt-in costs you a few subscribers and protects your sender reputation. Worth it the moment your list has real size.
- Assign your legal pages now. A missing privacy policy is one of the first things a payment processor flags.
Plan & Billing
Your subscription, payment methods, growth benefits, and AI credit balance in one place. This is also where Coachful's own refer-a-coach program lives: refer someone and you both get a free month.
What you can do
- View your plan, payment methods, and growth benefits
- See the Collective, which bundles premium features at a discount with a mastermind on the yearly plan
- See your AI credit balance and buy more if you need them
- AI credits cover email, SMS, and AI features like chat, the website builder, and chatting with Michelle
- Refer another coach to Coachful and you both get a free month
Pro tips
- The Collective mastermind is the reason to look at yearly, before you even count the feature discount.
- Keep an eye on AI credits if you run heavy automations or lean on Michelle daily. That is where they go.
- This refer-a-coach program is Coachful's own. It is separate from the Referrals feature you build for your clients.
Power-Ups
Extras you can add on top of Coachful, including the Collective mastermind on the yearly plan, additional tools, and free power-ups you earn by leaving a review.
What you can do
- Join the Collective, Coachful's mastermind, available on the yearly plan
- Add extra tools to your account
- Free power-ups: leave a video review and get a free month
- Leave a five-star Trustpilot review and get a couple of weeks free
Pro tips
- Do the video review in your first month while the before-and-after is still vivid. It is the easiest free month on the platform.
- Look through the tools list once rather than assuming you know what's there. Most coaches never open this tab.
My Data
Your own profile and your development as a coach, including ICF credential thresholds and coaching hours if you're working toward certification. What you put here feeds the AI: the more complete it is, the better Michelle, the marketing features, and diagnostics can serve you.
What you can do
- Edit all of your own data and profile information
- Track coaching hours against ICF credential thresholds
- See information about your own development as a coach
- Add information about yourself that the AI, marketing features, and diagnosis features use
Pro tips
- Fill this in fully before you lean on Michelle or diagnostics for anything strategic. They are reading it to personalize what they give you.
- If you're chasing an ICF credential, check your hours here instead of maintaining a separate spreadsheet.
Support
Reach the Coachful team with any question about the platform or your coaching business, submit and vote on feature requests, and send private feedback straight to the founder.
What you can do
- Ask any question about the platform or about your coaching business
- Submit feature requests that other coaches can vote on
- Popular requests get built, and recently shipped ones are listed so you can see what changed
- Send private feedback directly to the founder, read personally and seen by nobody else
Pro tips
- Vote on the requests you care about. Popularity is what actually moves something up the list.
- Private feedback is genuinely private. Use it for the things you would not post where other coaches can read them.
- Check the recently shipped list before assuming something isn't possible. A lot of what's live came from coach requests.
