How to import clients from a spreadsheet

By Coachful10 min readUpdated Sep 21, 2026

Prepare a client spreadsheet, review field mapping, and import contacts into Coachful in batches that respect your plan capacity.

Coachful can import client and lead contact details from a reviewed spreadsheet mapping. Before importing, keep a copy of your source file and check that each row has the correct name and email address.

Review the mapping

Open the contact import flow and map your spreadsheet columns to Coachful fields. Review names, email addresses, client-versus-lead type, notes, and any session credits before submitting. The flow validates rows and shows issues to resolve.

Import in batches

Each import job accepts up to 250 reviewed rows. Duplicates are skipped, and client rows count against the limit assigned to your account. Large rosters can be split into batches; a historical Growth or Scale label does not determine your current import allowance.

After import

Check the job receipts for created and skipped records. A contact import does not transfer historical progress, media, messages, or a live subscription from another platform. Plan those separately before inviting clients.

Frequently asked questions

How many contacts can I import at once?
The reviewed import job accepts up to 250 rows. You can plan larger rosters in batches, subject to your account client capacity and duplicate checks.
Does this migrate program progress or subscriptions?
No. The contact import creates client or lead records and supported contact fields. Program progress and live billing require a separate migration plan.
