A migration depends on your existing platform, record counts, file formats, billing setup, and access promises to clients. Inventory those first; there is no universal one-weekend timeline.
1. Inventory what must move
List active clients and leads, programs, session credits, video and document assets, booking links, domains, communities, and every active subscription. Record file sizes and formats and note which clients have lifetime or post-completion access.
2. Import contacts in reviewed batches
Coachful has a reviewed contact-import flow for clients and leads. Each import job accepts up to 250 rows and checks duplicates and the client capacity of your assigned plan. Large rosters can be split into batches after reviewing the mapping. Importing a contact does not automatically recreate their old course progress, media, or subscription.
3. Move content deliberately
Rebuild a small sample program and test its client view before moving the rest. Video upload size limits vary by destination and workflow; do not assume unlimited storage or that hundreds of videos can be migrated in one step. Share asset counts and sizes with support for a scoped plan.
4. Map billing before any cutover
Document each client's current processor, amount, renewal date, and entitlement. Do not cancel or recreate a live subscription until the replacement billing path and cutover are confirmed with the affected clients. Connecting Stripe to Coachful does not by itself migrate third-party subscriptions.
5. Preserve promised access
Coachful programs can be configured to keep or remove content and community access after completion. Older completed enrollments without an access snapshot retain the historical keep-access default. Match each client's contractual promise to the program configuration and verify it with a test enrollment before inviting everyone.
Start with a pilot
Explore the sample coach workspace, then move one program and a small client batch. Coachful offers a trial. Its length and whether a card is requested depend on the offer assigned to your account and the signup path. Review the terms shown during signup before confirming; your account dashboard shows your own terms afterward. Ask for a human migration review if you have many videos, thousands of clients, existing paid subscriptions, or lifetime-access promises.
