Client Onboarding Checklist Generator
Get a complete client onboarding checklist for your coaching niche: before the first call, the first week, and the first month. Copy it or download it.
A new client said yes. The next seven days decide whether they stay for seven months. This generator builds a client onboarding checklist for your niche and format: what to send before the first call, what happens in session one, and the first-week and first-month touchpoints most coaches forget until a client goes quiet.
How to use this tool
- 1
Enter your niche and pick the format you deliver in: 1:1, group, hybrid or a course with check-ins.
- 2
Add the tools you already use so the checklist tells you what can be automated versus what you do by hand.
- 3
Generate. You get four phases: before the first call, first session, first week, first 30 days. Each item says who owns it.
- 4
Tick items off as you go, copy the whole thing into your notes, or rebuild it as a program in Coachful so it runs itself for every new client.
What a good client onboarding checklist covers
The gap most coaches leave is between payment and first session. The client has paid, they are excited, and then nothing happens for six days. A welcome email within an hour, an intake questionnaire within a day, and a calendar invite for session one close that gap. The contract and payment confirmation belong here too.
The second gap is week two. Session one felt great, then real life returned. A short check-in message on day three and a small task with a deadline keep the momentum you built on the call. By day 30 you want a review: what has moved, what has not, what changes.
Automate the boring half
Roughly half the items on any onboarding checklist are the same every time: the welcome email, the intake form link, the calendar invite, the reminder before session one. Those are automation, not coaching. The generator marks them "automatic" so you can see exactly which steps a tool should be doing for you.
Coaches on Coachful run onboarding as a program template: the client enrols, the tasks and emails fire on schedule, and the coach only touches the steps that need a human. That is the difference between onboarding five clients and onboarding fifty.
Questions coaches ask
What should be on a client onboarding checklist for coaches?
Welcome email, signed agreement, payment confirmation, intake questionnaire, calendar invite and session prep for session one, platform or app access, communication rules, a first-week task, a day-three check-in, a first-week check-in call or message, and a 30-day review. The generator adapts the wording to your niche and format.
How long should coaching client onboarding take?
The admin should take under 24 hours from payment to a booked first session. The onboarding experience itself runs about 30 days: the first session, the first week of tasks and check-ins, and a review at the end of month one. After that the client is in the normal rhythm of your program.
Is this a client onboarding checklist template I can download?
Yes. Copy the generated checklist as plain text and paste it into Notion, Google Docs or your client notes. If you use Coachful, rebuild it as a program template once and every new client gets the same onboarding automatically.
Does the checklist work for group coaching?
Pick "Group program" as the format. The phases change: cohort welcome, community access, the kickoff call, the first-week discussion prompt and the first accountability check-in replace the 1:1 specific items.
Do I need a contract before onboarding a coaching client?
Yes. The checklist puts the signed agreement before the first session because that is when scope, cancellations and confidentiality are easiest to agree. If you do not have one, the free coaching contract generator on this site builds a starting draft.
