Client Welcome Email Sequence Generator

A five-email welcome sequence for new coaching clients: what to expect, how to prepare, and how to get the most from the first month.

The first email after someone pays sets the tone for the whole engagement. Most coaches send a receipt and a calendar link. This generator writes a five-email welcome sequence in your voice: what happens next, how to prepare for session one, the one habit to start now, what month one looks like, and a day-14 check-in.

How to use this tool

  1. 1

Enter your first name, your niche and the name of the offer or program the client just joined.

  2. 2

Describe the format and cadence, pick a tone, and add the one thing every client should know upfront.

  3. 3

Generate. Each email has a subject line, preview text, a 120 to 200 word body and the goal it serves.

  4. 4

Paste the emails into your email tool with the send-day delays, or load them into an automation that fires on enrolment.

Why a welcome sequence beats a welcome email

One email gets read once. Five emails across two weeks teach the client how to be a client: how to prepare, how to reach you, what to do between sessions, what good looks like by day 30. Coaches who run a sequence report fewer no-shows at session one and fewer "so what should I be doing?" messages in week two.

The sequence also protects you. Cancellation rules, response times and boundaries land better in a warm email on day one than in a tense reply on day twenty.

Timing and personalisation

Day 0 within an hour of payment, day 1, day 3, day 7, day 14. Use the client's first name and the exact program name. Keep every email under 200 words; the goal is to be read on a phone.

Coachful email sequences trigger on program enrolment with delays and branching, so this sequence can run for every new client without you touching it. Reply-to goes to you, so answers land in your inbox like any other message.

Questions coaches ask

What should a client welcome email say?

Thank them, confirm what they bought, say exactly what happens next and when, tell them how to reach you and how fast you reply, and give them one small thing to do before the first session. The generator writes this as email one of five.

How many emails should a welcome sequence have?

Five over two weeks is enough for a coaching program: welcome, prepare for session one, one habit to start, what month one looks like, and a day-14 check-in. More than that and open rates drop; fewer and clients arrive at week three unsure what to do.

Can I edit the emails after generating them?

Yes, and you should. Change a phrase or two so they sound like you on a good day. Copy the full set, or regenerate with a different tone if the voice is off.

Does this work for group programs?

Yes. Put the cohort details in the format field: the kickoff date, the community link, the weekly call time. The sequence becomes cohort onboarding rather than 1:1 onboarding.

Is the welcome email generator free?

Yes. Generate as many sequences as you have offers. An email address is asked for before the full sequence unlocks so we can send you the copy.
