Stop Coaching Double Bookings Across Work and Personal Calendars

A client books your Thursday 4pm. It is the slot you had already promised to your other job, or the school pickup that lives in your family calendar, and your booking page had no idea. Now you are writing an apology and offering three alternatives to someone who has not even had their first session yet. Do that twice and you start blocking whole afternoons by hand, which means fewer bookable hours, or you connect your personal calendar to every tool and worry about what those tools can see.

A coach on Reddit described the root of it: "Practice.do only syncs with one calendar (Google or Outlook), and I work with clients through more than one email/calendar account." Practice.do has since shut down (on 3 November 2025), but the problem is the same in any tool that reads only one calendar.

The short answer: pick one calendar as the home for coaching sessions. Have every other calendar you live by, personal, family or second job, share its free/busy information into that account, so it blocks time without revealing what the events are. Then tell your booking tool which calendars count as busy, add buffers and notice rules, and test with a dummy event before a client finds the gap for you.

Why coaching double bookings happen with more than one calendar

  • Your booking tool checks one calendar. Anything in a different account looks like free time.
  • Different accounts for different roles. A coaching account, a day-job account and a personal account rarely see each other by default.
  • Shared family calendars. Events your partner adds may never reach the calendar your booking page reads.
  • Manual blocking. Copying events between calendars by hand works until the day you forget.

Step 1: choose one home calendar for coaching

Pick the calendar where coaching sessions should be created, usually your business account. Every booking lands there, and it becomes the place your booking tool checks first. Everything else feeds into it rather than the other way round.

Step 2: share free/busy, not event details, from every other calendar

Both major calendar services let you share availability without sharing what is in the events:

  • Google Calendar: in the personal calendar's sharing settings, share it with your business account using the permission that shows only free/busy and hides details.
  • Outlook / Microsoft 365: share the calendar with your business account at the level that shows only when you are busy.

Your business account then sees blocks of busy time, not "therapy appointment" or "kids' parents' evening." For extra caution, mark especially sensitive events as private in the original calendar too.

Step 3: tell your booking tool which calendars block time

Connecting a calendar is not the same as checking it for conflicts. In your booking tool's calendar settings, look for the list of calendars that "count as busy" or "check for conflicts," and tick every calendar from step 2, including the shared free/busy ones. Then check where new bookings are written: it should be your home calendar from step 1.

Step 4: set availability rules that protect your week

  • Working hours per day, so evenings and weekends stay closed unless you open them.
  • Buffers before and after sessions for notes, a break or travel between roles.
  • Minimum notice, so nobody books a slot an hour from now that you have not seen.
  • A booking window, so clients cannot book months ahead into time you have not planned.
  • Time zones shown in the client's own zone, so an international client does not book the wrong hour.

Step 5: test before a client finds the gap

  1. Add a dummy event to each feeding calendar, including the personal one.
  2. Open your public booking page in a private browser window and check that those times are gone.
  3. Book a test session and confirm it lands in your home calendar with the right time zone.
  4. Delete the dummy events and confirm the slots return.

Repeat the test whenever you add an account, change jobs or change tools.

What clients see, and what your booking tool sees

  • Clients see only open slots and, after booking, their own confirmed session. Nothing about why other times are unavailable.
  • Your booking tool sees whatever you shared with the calendars it checks. Free/busy sharing keeps that to busy blocks.
  • Other people in a shared family calendar may see your coaching sessions if your home calendar is shared with them. Check the sharing level of your business calendar too.

Mistakes that still cause double bookings

  • Connecting a calendar but not ticking it as a conflict calendar.
  • Sharing free/busy from the wrong calendar inside a personal account (many people have several).
  • All-day events marked as "free" that should block time, or the reverse.
  • Writing new bookings to a calendar the booking tool does not check.
  • Taking bookings through two tools that do not see each other.

Frequently asked questions

How do I stop double bookings when I use more than one calendar?

Choose one home calendar for coaching, share free/busy from every other calendar into it, and set your booking tool to check all of those calendars for conflicts. Then test with a dummy event in each calendar.

Will clients see my personal events if I connect my personal calendar?

Clients see only open slots on your booking page. To limit what your booking tool itself can read, share your personal calendar as free/busy only into your business account instead of connecting the personal account directly.

Can I combine a Google calendar and an Outlook calendar for coaching bookings?

Yes, either by connecting both to a booking tool that checks both for conflicts, or by sharing one calendar's free/busy into the other account. Test the result with a dummy event in each calendar.

What happened to Practice.do?

Do I need a separate calendar-sync tool?

Often not. Free/busy sharing between your own accounts, plus a booking tool that checks several calendars, covers most coaches. A separate sync tool is worth considering only if your calendars cannot share with each other.

What buffer should I set between coaching sessions?

Enough time to write notes, take a break and switch context, more if you move between jobs or locations. Set it once in your availability rules so every booking respects it.
