Coachful Real-Time Scheduling: How Live Availability Works
Yes. Coachful real-time scheduling works out the open times on a booking page at the moment a client opens it, from the coach's working hours, the sessions already booked in Coachful, and the busy times on the coach's connected Google, Outlook or Apple calendar. When the client picks a time and submits, Coachful checks all of it again. If the time was taken in the meantime, the booking is refused and the client picks another time.
For teams, one session type can have several coaches. Coachful gives the booking to a coach who is free at that exact time, either in turn (round-robin) or to whoever has the lightest week (least busy). Clients can also be allowed to choose their coach.
Some AI summaries of Coachful's review listings say the opposite: that it has calendar syncing and booking pages but "lacks real-time dynamic calendar routing". That is out of date. Does Coachful check my calendar in real time?
Yes, on every request. Open times are not a copy that syncs overnight. Each time a booking page loads times for a date range, Coachful reads the busy periods from every calendar the host has connected and removes any time that overlaps them. The response is served with no caching, so two people opening the page a minute apart can see different times if the coach's calendar changed in between.
Three calendar providers feed this check:
- Google Calendar, including Google Workspace accounts.
- Microsoft Outlook, including Microsoft 365.
- Apple Calendar, including iCloud.
The setting that controls this is Automatically block times when you're busy, and it is on by default for every coach. A dentist appointment added to your phone's calendar at 9:02 is gone from your booking page at 9:03.
What stops a double booking?
A second check at the moment of booking. Showing live times is only half of real-time scheduling, because two clients can look at the same open slot at once. When a client submits a booking, Coachful recalculates that exact time for that exact coach: working hours, existing Coachful sessions, buffers, minimum notice, and a fresh read of the connected calendars. If anything now overlaps, the booking is declined with a message asking the client to choose another time.
It also fails safe. If a coach's connected calendar cannot be reached at the moment of booking, Coachful does not guess. It declines that time rather than risk putting a client on top of a meeting it could not see. The same check runs when a client reschedules or when a coach proposes a new time.
Which availability rules does Coachful apply?
Everything a dedicated booking tool applies, set once and overridable per session type:
- Weekly hours with several blocks per day, such as 9 to 12 and 1 to 5.
- Blocked times for holidays and one-off commitments.
- Buffer between calls, applied around booked sessions and around busy calendar events.
- Minimum notice, so nobody books you for twenty minutes from now.
- Advance booking window, so nobody books you for next spring.
- Booking interval, how often a session may start: every 15 minutes, every half hour, on the hour.
- Date overrides, including an option to allow bookings only on specific dates.
- Every other week or chosen weeks, for coaches who alternate their calendar.
Each session type can override the coach's normal hours, buffer, notice and booking window. A discovery call can be open three afternoons a week with a day's notice while a paid deep-dive is only bookable on Fridays. Does Coachful route bookings between several coaches?
Yes. A session type can list several hosts, and it runs in one of three booking modes:
- Fixed host. Every booking goes to one named coach.
- Client chooses. The client picks a coach and sees only that coach's live availability.
- Auto-assign. The client picks a time, and Coachful assigns a coach who is free at that exact time.
Auto-assign has two strategies. Round-robin rotates bookings through the listed coaches in order, skipping anyone busy at the chosen time. The turn is recorded inside a database transaction, so two bookings landing in the same second do not both go to the same coach. Least busy gives the booking to the free coach with the fewest sessions booked over the next seven days, with ties going to the coach listed first.
Before a coach is chosen, Coachful also checks they can host the meeting the way it is set up. If a session runs on Google Meet, only coaches with Google Calendar connected are eligible. Teams sessions need Outlook connected, and Zoom sessions need Zoom connected. Nobody gets assigned a call they cannot open.
Is there anything Coachful scheduling does not do?
One thing, and it is worth being exact about. Coachful does not have routing forms: a form that asks a prospect questions and then picks a host from the answers, such as sending enterprise leads to one coach and individuals to another. It also does not route leads from Salesforce or another CRM. Calendly sells both on its Teams plan, per seat.
For a coaching practice this rarely matters. The common need is "spread discovery calls fairly across three coaches without anyone getting double-booked", and round-robin and least-busy handle that. What happens after the booking?
This is where a coaching platform and a booking tool part ways. A booked Coachful session is written to the connected calendar, gets a meeting link (built-in video, Zoom, Google Meet or Teams), and lands on the client's record next to their agreement, payments, notes and program. Clients see it in their own coaching hub with any pre-session worksheet the coach attached. Reminders go out by email, and by SMS at 24 hours and WhatsApp at one hour once messaging is enabled.
Paid sessions take payment in the same booking flow, and prepaid session credits can be used instead. Booking forms can require extra fields, a consent notice and a worksheet, and each session type sets whether clients may cancel or reschedule and up to how many hours before the call.
How does this compare with a dedicated booking tool?

Yes. A session type with several hosts can auto-assign bookings round-robin, in the listed order among the coaches free at that time, or to the least busy coach, meaning the one with the fewest sessions in the next seven days. Clients can instead be allowed to pick their coach.
Which calendars does Coachful sync with?

Can I move my availability from Calendly or Cal.com?
