Plan for a Coaching Platform Outage So Clients Keep Going

Your coaching business runs on software you do not control. Most days you never think about it. Then one morning the app will not load, clients start messaging to ask where today's plan went, and you realise you have no way to show them, no list of who to tell, and no idea when it will be back.

One online fitness business owner described exactly that day on Reddit after their platform was down for most of a working day: "Yesterday, they were down for basically 12 full hours, mid week (Wednesday into Thursday) and it both affected revenue and client relations. ... Now I need to think critically about if we want to continue moving forward with this platform as this business with our 300 online clients are basically at TrueCoach's mercy."

The short answer: you cannot stop a vendor's outage, but you can stop it from becoming your crisis. Before it happens, give clients a simple fallback they can follow for a day without the app, keep an up-to-date contact list and a pre-written message outside the platform, and know how to reach your vendor's support. During it, send one calm update within the first hour from a channel the platform does not run. After it, review what happened and decide on evidence, not on a bad day, whether to stay.

What a coaching platform outage really costs

  • Client momentum. People who cannot see today's plan often skip the day, and some skip the next one too.
  • Client confidence. Silence from you during the outage feels worse to clients than the outage itself.
  • Your time. Without a plan, you spend the day answering the same question one message at a time.
  • Revenue. Bookings, payments or renewals that were due in the window may stall, as the Reddit post describes.

The first two are the ones you can protect, and both depend on what you set up before anything breaks.

Before: build a fallback kit for coaching clients

Ask what a client needs to keep going for one day without the app. Usually it is three things: what to do today, when their next session is, and how to reach you.

  • A default day. Tell clients at onboarding what to do if the app is ever unavailable: repeat their last completed workout or session task, do their daily habit, and note what they did so it can be logged later. A rule they already know needs no explaining on the day.
  • Session times outside the app. If your platform syncs bookings to clients' own calendars, sessions stay visible even when the app is not. Agree a fallback for live calls, such as a phone call, in case the call link will not open.
  • A current contact list. Export client names, emails and phone numbers regularly and keep a copy somewhere the platform cannot affect. Our guide to protecting coaching data covers a quick routine for regular backups.
  • A pre-written message. Draft the first-hour update now, while you are calm. The template is below.
  • Your vendor's support route. Know where to report a problem and what to include: what fails, since when, for whom, with screenshots.

During: send one calm update in the first hour

Clients do not need a technical explanation. They need to know that you know, what to do now, and when they will hear from you next. Send it from your own email account or phone, not from the platform that is down.

"Quick heads-up: the app we use is having problems right now and may not load. Your coaching is not affected. For today, [default day instruction]. If we have a session booked, I'll [call you at the usual time / confirm by message]. I'll update you by [time] or as soon as it's back. Nothing you do today will be lost; just note it down and we'll log it later."

  • Do not guess at causes or fix times. If the vendor has not said, neither should you.
  • Do not blame anyone. Clients remember how you handled it, not whose fault it was.
  • Follow up when you said you would, even if the news is "still down."
  • Report it to the vendor once, with specifics, then stop refreshing and coach.

After: review the outage before deciding to switch

When everything is back, send a short all-clear, help clients log anything they did offline, and then look at what happened while it is fresh:

  1. How long was it down, and which parts were affected?
  2. How quickly did the vendor acknowledge it, and did they keep you informed?
  3. Was any data or payment lost, or only delayed?
  4. Did your fallback kit work? What did clients ask that it did not cover?
  5. Is this the first outage you remember, or part of a pattern?

One outage handled with clear communication and no lost data is a reason to improve your plan. Repeated outages, slow or missing communication, or trouble getting your own data out are reasons to start planning a move. Will more tools make a coaching business safer?

Not automatically. Spreading the work across several apps means any one of them failing takes out part of the client experience, and you have more places to check. What should I tell clients when my coaching app is down?

That you know about it, what to do today, how live sessions will happen and when you will update them next. Send it within the first hour from your own email or phone, and avoid guessing at causes or fix times.

How can clients keep training or working when the app is down?
