Two ways to make it fit
- Raise the price: at $840/mo per client, 12 clients hit your goal without adding hours.
- Add leverage: a group program at $200/member with 14 members covers the gap in one weekly call.
Assumes 15 minutes of prep and notes per session and a 90-minute weekly group call. Change the inputs and the numbers update live.
Every coach has a number in their head. Ten thousand a month, usually. This calculator turns that number into clients, hours and the marketing you actually need, and tells you straight if the maths does not fit inside your week. Change the price or add a group program and watch what happens.
How to use this tool
- 1
Enter your monthly income goal and what one client pays you per month.
- 2
Set sessions per client, session length and the hours you can realistically work each week. We hold back a quarter of your week for admin and marketing.
- 3
Enter your churn: the share of clients who finish or leave each month. Fifteen percent is a fair default for a three-month program.
- 4
Read the result. If it does not fit, the calculator shows the price that would, or the group program that covers the gap.
The number most coaches get wrong
It is not the number of clients. It is how many new clients you must sign every month just to stand still. At twenty clients and fifteen percent churn, three clients leave each month, so you need three new ones before you grow at all. At a 25% close rate that is twelve discovery calls a month, every month. That is the real job.
The second surprise is hours. A 60-minute session costs about 75 minutes once you count prep and notes. Four sessions a month per client, twenty clients, is a hundred hours before you have answered a single email. Most solo coaches cap out between twelve and sixteen 1:1 clients.
Two levers that change the answer
Price is the obvious one, and the calculator shows the exact per-client price that hits your goal inside your capacity. Coaches routinely undercharge by 30 to 50 percent because they price sessions instead of outcomes.
Leverage is the quieter one. One group program at a third of your 1:1 price, with twelve members and one weekly call, often closes the gap that would otherwise need six more 1:1 clients and a second working day. Coachful creates a cohort automatically when clients enrol in a program, which is why group offers are the usual second step.
Questions coaches ask
How many clients do I need to make $10,000 a month coaching?
At $600 per client per month you need 17 clients. At $1,000 you need 10. At $2,000 you need 5. With a $300 per month group of 12 members alongside, the 1:1 count drops by six. Put your own price in the calculator; the capacity check tells you whether those clients fit in your hours.
How many coaching clients can one coach handle?
For weekly 60-minute 1:1 sessions with prep and notes, 12 to 16 clients fills a 30-hour delivery week. Fortnightly sessions roughly double that. Beyond it, coaches add group programs, shorter sessions, or a second coach.
What churn rate should I use?
If you sell three-month programs, about a third of your clients finish each quarter, which is roughly 10 to 15 percent a month. Ongoing monthly coaching with no fixed end runs 5 to 10 percent. Use your last six months if you have the data.
Is this coaching business calculator free?
Yes, and nothing is stored. Change the inputs as often as you like. Copy the summary if you want to keep a version.
What about one-time packages instead of monthly?
Divide the package price by the months it covers and enter that as the monthly price. A $1,800 three-month package is $600 a month. Churn then becomes the share of clients who do not renew.
