Coaching Session Notes Template Generator

A session notes template shaped to how you coach: what to capture, what to skip, and the follow-up your client actually reads.

Session notes either take five minutes and get read before the next call, or take twenty minutes and never get opened again. This generator designs a coaching session notes template around how you coach: what to capture, what to leave out, and a recap message your client actually reads.

How to use this tool

  1. 1

Enter your niche, the format you coach in, and how much you like to write.

  2. 2

Say what you most want to track over time: confidence scores, habit streaks, decisions, whatever your program is built on.

  3. 3

Generate. You get six or seven sections with labelled fields, a two-minute quick version for busy days, and a recap message template with placeholders.

  4. 4

Copy the template into your notes app, or use it as the structure for session notes inside your client records.

What to put in coaching session notes

The basics: date, session number, how the client arrived (a one-to-ten energy or confidence score is enough). The focus they chose. Two or three key insights, ideally in their words. Decisions and commitments with dates. Your own observations, kept separate from what the client said. And one line on what to prepare for next time.

What to leave out: a transcript. Notes are for the next session, not for the record. If you find yourself writing paragraphs, use the quick version instead and let the recording or AI summary hold the detail.

Session notes, privacy and the recap

Keep coach observations and client statements in separate fields so you can share the client-facing part without editing. A short recap message after every session, three to five sentences, is the single highest-leverage habit in retention: clients feel seen and they remember what they committed to.

In Coachful, session notes live on the client record next to their goals and habits, and Michelle can draft the recap from the call summary so you only check it before it goes out.

Questions coaches ask

What should a coaching session notes template include?

Session basics, the client's state at the start, the focus, key insights and quotes, decisions and commitments with dates, coach observations kept separate, and prep for the next session. Optional: a one-to-ten scale for energy or confidence so you can chart it over time.

How long should session notes take?

Under five minutes if the template is good. The generator includes a two-minute quick version for days when you have back-to-back calls. Long-form notes are for supervision or case studies, not every session.

Should I share session notes with clients?

Share a recap, not your notes. The recap covers what was decided and what they committed to. Your observations stay private. Keeping the two in separate fields makes this a copy-paste instead of an editing job.

Are coaching session notes confidential?

Treat them as such: store them somewhere access-controlled, not in a shared drive, and say in your agreement how long you keep them and who can see them. Coachful stores notes on the client record with staff permissions, and clients can request their data.

Is this session notes template free?

Yes. Generate as many variations as you want for different programs or formats and copy them anywhere.
