3 Best Coaching Software for Pre-Session Prep Forms

Yes, an unfinished prep form becomes another admin chase when it goes out as a loose link and the first you hear of the gap is "sorry, I never got to it" two minutes into the call. It is far less of one when the form belongs to the booked session, carries a due date the client can see, and shows up as late before you sit down. No software on this page can make a client fill it in. What you are choosing is how the form gets attached to the appointment, and what you and the client see while it is still blank.

This page compares three coaching platforms on that one job: a prep form tied to an appointment. Intake forms at purchase, client assessments, homework between sessions and session notes are separate decisions, and they are left out. Everything below comes from each vendor's public documentation and, for Coachful, from our own product, read on 3 October 2026.

Disclosure: Coachful owns and publishes this comparison, and Coachful is one of the three products in it. We place Coachful first as our own publisher recommendation for one specific fit: coaches who want prep visible on the next-session card in the client's My Coaching hub, with a required label, a due date and an overdue state, and the answers on the session. That is an editorial judgment based on what each vendor publishes and on our own product, not on hands-on use of the other two. The order is a judgment about fit and nothing more, there are no affiliate links, and where another tool is the better pick we say so.

The three, in order, and who each one is for:

  1. Coachful. Prep on the client's next-session card, with a required label, a due date and an overdue state, and the answers on the session. Our pick as the publisher, for that fit.

What counts as pre-session prep form software for coaches

A pre-session prep form is a short set of questions a client answers before one specific booked session: what moved since last time, what is stuck, what they want from this hour. Lots of tools can build that form. The narrower question is whether the form follows the appointment, so it reaches the right client before the right session without you sending it by hand.

That is the bar for this list. A product is included only where we could read, on its own pages, how a prep form attaches to an appointment, in enough detail to compare. Three cleared it: Coachful, CoachAccountable and Simply.Coach. Other coaching tools send forms around sessions too. If one is missing here, we could not document it to the same standard, which is different from saying it cannot do the job.

How we compared pre-session prep forms across coaching software

Each product was read against the same seven questions:

  • Attachment. How does the form get tied to a session, and can one session differ?
  • Timing. When does it reach the client, and when is it due?
  • Client view. Where does the client find it?
  • Required. Can it be marked required, and what does that actually do?
  • Late handling. What happens when it is not done on time?
  • Answers. Where do they sit when you prepare for the call?
  • After the session. Can a second form follow the appointment?

First place is our pick as the publisher, for the fit named in the disclosure. Second and third are ordered by how much of this job each vendor documents in detail on the pages we read. "Not documented" below means we did not find it on those pages. It never means the product lacks it.

Three ways coaching software attaches a prep form to a session

The three products take the manual send away in three different places.

  • Session-type default (Coachful). You choose a worksheet on the session type once. Every booking of that type carries it, and you can swap it for a single session.
  • Appointment-type worksheet (CoachAccountable). On the appointment type you tick a worksheet before the appointment, after it, or both, then set when each goes out and when it is due.
  • Session-reminder form (Simply.Coach). The pre-session form is attached to the session reminder notification, so it arrives with the reminder.

All three stop the sending from depending on your memory. Where they part ways is what the client sees and what follows when the form is late, which is the rest of this page.

One column is missing on purpose: where the answers end up. Coachful's product page says worksheet answers appear on the session for both coach and client. For the other two, we could not confirm from the pages we read whether answers show beside the appointment or elsewhere on the client record, so that question is on the demo list further down.

1. Coachful: prep on the client's next-session card

This is our pick as the publisher, and for one situation: you want the prep form to sit where the client already looks before a call, with a label and a date on it.

In Coachful you attach a pre-session worksheet to a session type. Every booked session of that type carries it, and you can choose a different worksheet for a single session. You set when it is due: when the session starts, or 24 hours, 48 hours or 1 week before. You can also mark it required.

The client finds it on the next-session card in their My Coaching hub, next to the session it belongs to. The card shows the worksheet's name, a Required label, the due date and a button to start. The hub is available in the browser and in the client app, so the same card shows up on a phone.

Once the due time passes, the card says so and the worksheet stays open, so the client can still complete it before the session. Late prep also moves to the top of their "What to do next" list. The worksheet saves as the client types and stays editable after they finish, so a half-done form is not lost.

When the client submits, the answers appear on the session for both of you. You read them where you prepare for that call, instead of digging through an inbox. Coachful describes this on its forms and worksheets page and its client app page.

What "required" means in Coachful

Required is a label on the client's card. It does not block joining: a client who skips the worksheet still gets into the call, and nothing else is locked until they finish. If you need a hard gate before a session, Coachful does not give you one.

Where Coachful stops

  • Four due times. Session start, 24 hours, 48 hours or 1 week before. There is no separate send time and no custom offset.
  • No reminder claim. This page does not claim prep-specific reminder emails or texts for Coachful. What it shows is the overdue state on the client's card and list.
  • Before the session only. No post-session worksheet is claimed here. If you want one, read number two.
  • Coach side not pictured. The three screenshots are demo-workspace captures of the client's hub. On the coach side, the worksheet and due time are set on the session type, and each session has a Prep tab listing every attendee as not started, in progress, completed or overdue. We have no approved capture of those screens, so they are described here and not shown.
  • No outcome data. We have nothing that shows clients finish prep more often in one tool than another, and we are not suggesting it.

Best for: coaches who want prep visible on the client's next-session card, with a required label, a due date and an overdue state, and the answers on the session.

2. CoachAccountable: deeper timing, reminders and post-session worksheets

CoachAccountable is the better pick when what you need is control over the worksheet itself: when it goes out, when it is due, how often the client is nudged, and a second worksheet after the call.

What its documentation shows

  • Before, after, or both. Its knowledge base describes pre and post appointment worksheets, set on the appointment type.
  • Separate send and due times. You set when each worksheet goes out and when it is due, relative to the date and time of the appointment.
  • Client-booked sessions included. Any appointment of that type, scheduled by you or by the client, sends the worksheet.
  • One-click access. The client gets an email with a link that opens the worksheet directly.
  • Reminders and late notices. A separate article on worksheet reminders describes a due date and time with multiple reminders, sent to you, the client or both, by email or SMS. Once a worksheet is late, CoachAccountable can notify both of you.

That is more timing and follow-up control than Coachful documents. Coachful's own accountability page already says CoachAccountable goes deeper on worksheet logic, and nothing we read changes that.

What we could not confirm

  • The reminders article describes worksheets in general. The appointment worksheet page does not spell out whether the same reminder settings apply to a worksheet sent by an appointment type, so ask before you rely on it.
  • We did not find, on the pages we read, whether a worksheet can be marked required or whether answers show beside the appointment itself.

3. Simply.Coach: forms before, during and after a session

Simply.Coach is a better pick when prep is one of several forms you want around a session, and you want them delivered with the session's own notifications.

What its documentation shows

  • Delivered with the reminder. Its scheduling page describes session reminder notifications sent with pre-session forms attached.
  • Three points around a session. The same page describes sending forms before, during and after sessions, with the number of days before or after automated.
  • Custom forms. Pre-session and intent forms are built with its Digital Tools feature.
  • Cohorts. Its help center has an article on sending pre-session forms to every participant in a cohort, which matters if you run group programs.

What we could not confirm

  • The pages we read do not say whether a form can be marked required, whether it carries its own due date, or how completion is shown to you. Treat those as open questions, and do not read them as missing features.
  • Its plan comparison lists pre-session prep forms, session forms and recurring forms as separate lines. Check which of them your plan includes before you build a process on it.

Pick another tool if

Coachful is our pick for one fit. Outside it, another tool is the better choice. Pick another tool if:

  • Send time and due time need to be set separately. CoachAccountable sets both relative to the appointment. Coachful has four due times and no send time.
  • Reminders are what get your clients to finish. CoachAccountable documents multiple reminders by email or SMS and a late notice to both of you. We make no reminder claim for Coachful here.
  • A worksheet after the session matters as much as the one before. CoachAccountable documents a post-appointment worksheet on the same appointment type.
  • Forms before, during and after a session should be one setup. That is how Simply.Coach describes its session forms.
  • The form should arrive with the session reminder. Simply.Coach attaches the pre-session form to that notification, so there is one message to open.
  • Required has to actually stop someone joining. Coachful does not do that, and we did not find it documented for the other two. Ask each vendor before you buy on this point.

Decide what your coaching prep form asks before you pick software

Software delivers the form. What goes in it is a coaching decision, and it is worth settling first, because a form you have not written yet is hard to hold any tool up against. Keep it short enough to answer on a phone between meetings, and ask only what you will actually use in the session.

Once you know your questions, the comparison gets simpler. You are checking whether a tool can put those questions in front of the client before the session, and what it shows when they have not answered.

Questions to ask about pre-session forms in a coaching software demo

Documentation only goes so far, ours included. Put these to any vendor, with a real session type in mind:

  1. Does the form attach to the session type, or do I add it to each booking? Can one session use a different form?
  2. When does the client first see it, and where?
  3. Can I set when it is due? Are the send time and the due time separate?
  4. What does "required" do? Is anything blocked if the form is not done?
  5. What do I see before the call if the form is unfinished or half done?
  6. What does the client see once it is late, and can they still complete it?
  7. Where do the answers appear when I prepare: on the session, or somewhere else on the client record?
  8. Does it remind the client? How many times, and by which channel?
  9. Can a second form go out after the session?
  10. Is all of this included in the plan I am looking at?

Then try the unhappy path during a trial. Set up one session, leave the form unfinished, and look at what each side sees an hour before the call. That screen is what you are buying.

Which coaching software for pre-session prep forms should you pick

Pick by the part of the job that keeps going wrong. If clients miss the form because it is not in front of them at the right moment, Coachful puts it on their next-session card with a required label, a due date and an overdue state, and puts the answers on the session. That is our recommendation as the publisher, with the caveat that required does not block joining.

Is a pre-session prep form the same as an intake form?

No. An intake form is answered once, at purchase or first booking, and tells you who the client is. A pre-session prep form is answered before each booked session and tells you where they are this week. Do pre-session prep forms work for group coaching sessions?

It depends on the tool. In Coachful, prep on a group session is tracked per attendee on the session's Prep tab, which is described here and not pictured, and the client's What to do next list in the third screenshot includes prep for a session called Weekly Group Coaching. Simply.Coach's help center has an article on sending pre-session forms to every participant in a cohort. We did not read CoachAccountable's group worksheet articles, so we make no claim either way.

Do I need coaching software for pre-session forms, or will a standalone form do?

A standalone form works when you see a handful of clients and remember to send the link. What it cannot do on its own is follow the appointment: it has no due date tied to the call, and nothing flags it as late before you sit down. The three tools here attach the form to the session type, the appointment type or the session reminder, so the sending stops depending on your memory.
