Practice Management Software for Life Coaches: 8 Ranked

Most life coaches do not have one practice management problem. They have seven small ones: an intake form in one tool, an agreement in another, invoices in a third, session notes in a notebook, the client's homework in an email thread, renewals in their head and ICF hours in a spreadsheet they update twice a year. Practice management software for life coaches is worth paying for when it closes most of those gaps at once.
So we ranked eight tools on how many of those seven jobs each one does well for a solo life coach. Coachful takes first place because it covers all seven, including the work clients do between sessions, and because our team will set up your practice in it (website, offers, intake and programs) for free on every plan.
This is the life-coach-specific version of our broader guide to practice management software for coaches, which compares ten tools across every niche. Here the criteria come from how a life coaching practice actually runs.
The seven jobs of a life coaching practice
- Intake and discovery. A booking link for a free call with a few good questions, and a record of who converted.
- Agreement. Signed before the first session, stored where you can find it.
- Billing. Packages, payment plans or monthly retainers, with invoices that go out without you.
- Sessions and notes. Booking against a package, notes after each call, and the context in front of you before the next one.
- Between sessions. Reflection prompts, a journal, habits or a weekly check-in. This is where life coaching results are made or lost.
- Renewal and referral. Knowing who is near the end of a package and who is quietly drifting.
- Credential hours. If you are working toward an ICF credential, a log of coaching hours you can trust.
Pure client-admin tools cover jobs 1 to 4. Coaching platforms try to cover all seven. That split explains most of the ranking below.
The 8 best practice management tools for life coaches

1. Coachful: best practice management software for life coaches
Coachful is a coaching platform that keeps the whole practice on one client record: the intake answers, the signed agreement, the package and its payments, every session with your notes, the client's goals, habits and check-ins, and the next booking.

Jobs 1 to 4: intake, agreement, billing and sessions
- Intake. Discovery calls are their own session type with intake questions, and every call is tracked as upcoming, completed, no-show, cancelled or converted.
- Agreement. Coaching agreements go out for e-signature before the first session and are stored on the client record, from templates you reuse.
- Billing. One-time packages, subscriptions and payment plans through your own Stripe or Razorpay account, with a 0% Coachful platform fee, an invoice for every payment and manual invoices when you need them.
- Sessions. Clients book against session credits from your live availability, with two-way Google, Outlook and Apple calendar sync and reminders by email, plus text and WhatsApp once messaging is enabled. Michelle, the built-in AI assistant, summarizes recorded sessions and briefs you on each client before you meet.
Jobs 5 to 7: between sessions, renewals and hours
This is where Coachful differs from client-admin tools. Clients get a program with weekly goals and daily tasks, habits with streaks and morning and evening check-ins in the iPhone and Android app. The Life & Mindset power-up adds a weekly review in the client's check-in, a journal, a wins log, experiments, a life map and values and beliefs work, with a coach view of who needs attention.

For renewals, the client overview shows who has gone quiet and for how long, and analytics show paid sessions nobody has booked yet. For credentials, Coachful counts completed coaching hours and distinct clients against the ICF ACC, PCC and MCC thresholds and exports a client coaching log with paid and pro bono hours. Group time counts once, the way the ICF counts it, and past sessions can be added by hand.
Why Coachful stands out: a free white-glove service. Moving a practice is the part people put off. On every Coachful plan, our team will build your website, offers, intake funnel, forms or a program inside your account, usually within about 24 hours of a request. A recent request came from a life-purpose coach moving over from another coaching tool: the team rebuilt the home, about and coaching pages and adapted the program descriptions and FAQ from the old site. Clients, programs and content can be imported during onboarding too. See what the free white-glove service builds.
Where it falls short
- Entry plans cap the number of clients, and there is no free plan.
- No multi-stage sales pipeline for a large team, and no Salesforce or HubSpot integration.
- No PayPal and no HIPAA certification.
Pick it when: you want one login for you and one app for your clients, and the work between sessions matters to your results. More on Coachful for life coaches.
2. HoneyBook: best polished client admin
HoneyBook is a CRM for small service businesses, used by many 1:1 coaches whose delivery is calls and documents.

What stands out. Smart files that combine proposal, contract and invoice, a lead pipeline, automations and an AI notetaker on every plan. Capterra rates it 4.7 from 687 reviews.
Where it falls short for life coaches. Starter at $36 a month has no scheduler or automations; those need Essentials at $59. HoneyBook is the payment processor, from 2.7% plus 10 cents per card payment, and plans rose roughly 89% in February 2025. Nothing exists for the work between sessions.
Pick it over Coachful when: your clients only need you on calls and you want the most polished inquiry-to-invoice flow. See Coachful vs HoneyBook.
3. Dubsado: best for custom workflows
Dubsado is client management software known for Flows, its automation builder.

What stands out. Unlimited clients and three users on every plan, branded client portals, proposals, contracts and payment plans with autopay. Premier at $55 a month ($43.75 annually) adds the scheduler and Flows.
Where it falls short for life coaches. Starter at $35 has no scheduler or automations, the learning curve is the most common complaint, and there is no program, habit or check-in delivery.
Pick it over Coachful when: you enjoy building a detailed automated onboarding sequence and run delivery somewhere else. See Coachful vs Dubsado.
4. Paperbell: best for flat-price 1:1 practices
Paperbell is a coaching tool built around the package checkout.

What stands out. Contract, payment, intake and booking in one checkout, a simple coaching website, unlimited clients and a 0% platform fee on one plan at $57 a month or $570 a year. Free with one client.
Where it falls short for life coaches. No goal or habit tracking and no check-ins, no native app, and one coach per account.
Pick it over Coachful when: you coach 1:1, want unlimited clients at a flat price and keep the between-session work light. Our Paperbell alternatives guide covers who outgrows it.
5. Satori: best for simple enrollment
Satori is founder-run coaching admin software from 2011.

What stands out. One link takes a prospect through questionnaire, agreement, payment and booking. Billing counts only active clients, there is an ICF coaching log export, and the Scholar plan is free for pro bono clients. Essentials is $33 a month for 10 active paying clients.
Where it falls short for life coaches. Plans cap clients, programs and bookings; there is no native Zoom integration, no app and nothing between sessions.
Pick it over Coachful when: you have a small roster and value the simplest enrollment flow over everything else.
6. CoachAccountable: best for accountability-heavy methods
CoachAccountable is the specialist for tracking what clients committed to and whether they did it.

What stands out. Actions, metrics, worksheets and routine tracking, plus scheduling, agreements, invoicing and drip courses, with unlimited coach accounts. Capterra rates it 5.0 from 67 reviews.
Where it falls short for life coaches. Price follows active clients ($20 a month for 2, $70 for 10, $120 for 20), there is no website or native app, and reviewers describe the interface as dated.
Pick it over Coachful when: measured accountability is your entire method and your roster is small.
7. Bonsai: best if you also freelance
Bonsai is a platform for freelancers and service businesses, with time tracking, CRM and billing.

What stands out. A large contract and proposal template library, a client portal and scheduling on Essentials at $25 a month per user ($19 annually). Capterra rates it 4.6 from 95 reviews.
Where it falls short for life coaches. Basic has no invoices or payments, using your own Stripe through Bonsai adds a 1% platform fee, and there is no coaching delivery at all.
Pick it over Coachful when: coaching is one part of a consulting or freelance business that bills hours and projects.
8. Notion: best for building your own system
Notion is a flexible workspace for notes, documents and databases. Plenty of life coaches build client dashboards in it.

What stands out. Total flexibility, and templates made by other coaches. Notion is not in our pricing research, so we have not listed a price.
Where it falls short for life coaches. It is not practice management software. Booking, payments, agreements and reminders all come from other tools, and the system is only as reliable as your discipline in updating it.
Pick it over Coachful when: you have a handful of clients, enjoy building systems and already pay for a scheduler and a payment tool.
Switching without losing client history
- Export first. Get every client's contact details, agreement, sessions remaining and notes out of the old tool before you change anything.
- Rebuild your main package in the new tool, including the agreement and intake, and buy it yourself as a test client.
- Send new clients to the new system; leave current clients where they are until their package ends.
- Move existing clients at renewal, with a short note explaining what is better for them.
Coachful exports all client data as a ZIP (roster, notes, check-ins, goals, habits, sessions and form responses), so the door works both ways. For a full migration plan, see migrating from a discontinued coaching CRM.
Frequently asked questions
What is the best practice management software for life coaches?
Coachful is our first choice because it covers intake, agreements, billing, sessions and notes, the work between sessions, renewals and ICF hours on one client record. HoneyBook and Dubsado are stronger pure admin tools if your coaching happens only on calls, and Paperbell is the flat-price option for 1:1 packages.
What software do most life coaches use?
Many start with a stack: Calendly for booking, Stripe or PayPal for payments, Google Docs for agreements and notes, and Zoom for calls. As the practice grows, they move to a coaching platform or a client CRM. Our guide to what software life coaches use breaks the stack down job by job.
What is the best practice management software for a part-time life coach with five clients?
Choose for the jobs you do every week, not the ones you might do later. If you sell packages and give homework between sessions, an all-in-one platform like Coachful saves the most stitching. If you only need booking and invoicing, Paperbell's flat plan or Satori's Essentials plan for up to 10 active clients, as listed in October 2026, keeps things simple.
Can practice management software track my ICF coaching hours?
Coachful counts completed coaching hours and distinct clients against the ICF ACC, PCC and MCC thresholds and exports a client coaching log with paid and pro bono hours. Satori and CoachVantage also offer ICF coaching logs. In HoneyBook, Dubsado or Notion you would track hours manually.
Will Coachful set up my life coaching practice for me?
Yes. The white-glove service is free on every Coachful plan: the team builds your website, offers, intake funnel, forms or a program inside your account, usually within about 24 hours of your request, and clients, programs and content can be imported during onboarding. You edit everything afterwards with the normal editors.
Is practice management software HIPAA compliant for life coaches?
Most life coaching does not involve protected health information, and most tools here, including Coachful, Paperbell and HoneyBook, are not HIPAA-certified. If your work overlaps with clinical care, choose a platform that signs a business associate agreement. Coachful is GDPR-ready with full data export.
