Scheduling Software for Executive Coaches: 7 Compared

In executive coaching, the person who books the session is often not the person being coached. It is their assistant, juggling a calendar that changes three times before lunch. And the person who pays is often neither of them: it is the company, through a purchase order that finance wants invoiced to a specific contact.
That is why choosing scheduling software for executive coaches is a different exercise from choosing it for a life coach. You need a booking link an assistant can use without a login, sync with the Outlook and Teams world most of your clients live in, invoices that go to the sponsor while the sessions stay with the leader, and a clean way to bring a manager or HR partner into a three-way session. We compared seven tools on exactly that.
Coachful comes first. It also includes something the others do not: our team will build your executive coaching site, booking flow and engagement offers for you, free, inside your own account.
Four booking problems only executive coaches have
- The assistant books. They need a link that shows real availability, takes the executive's details and sends the confirmation to the right inbox. They will not create an account to do it.
- The company pays. The engagement is sold as a package of sessions over six or twelve months, invoiced to a sponsor, often against a purchase order. Our guide to company-funded coaching billing covers terms and POs.
- Stakeholders join some sessions. A kickoff with the leader's manager, a midpoint with HR, a closing review. Those guests should join from a link without an account on your platform. For structure, see stakeholder alignment meetings.
- Confidentiality is part of the product. The sponsor pays, but your notes are not theirs. The software has to let you share progress without exposing the conversation.
How we ranked the tools

1. Coachful: best scheduling software for executive coaches
Coachful is a coaching platform with scheduling, payments, agreements and an executive coaching toolkit in one account. For an executive practice, three parts matter most.
Booking that works for assistants and corporate calendars
- A public booking link for each session type, built from live availability. An assistant books with the executive's name and email, and the confirmation and reminders go to that address. Nobody needs an account to book.
- Two-way sync with Outlook and Microsoft 365, Google Calendar and Apple Calendar, and a conflict check at the moment of booking.
- Teams, Zoom or Google Meet links created automatically, or built-in video. In-person sessions can carry an office address.
- Session lengths, buffers, notice and booking windows set per session type, so a 90-minute working session and a 30-minute check-in behave differently.
- Reminders and confirmations shown in each recipient's own time zone, which helps when the leader is in London and the assistant in New York.
- Your own assistant can help run the calendar on plans with team seats, with staff permissions.

Company-paid engagements without the spreadsheet
Sell the engagement as an offer with a session allowance, or as a package of credits the leader books against. In the client's settings, add the company contact as a sponsor. A sponsor can receive invoices and sign the agreement, while the sessions and access stay with the leader. When you raise a manual invoice, you choose whether the client or the sponsor is billed. Payments go to your own Stripe or Razorpay account with a 0% Coachful platform fee.

Stakeholders, confidentiality and the work between sessions
You can schedule a session from the leader's record and invite additional guests, such as their manager. Guests join from their own invitation link without an account, and you admit them as host.
The Executive Coaching power-up gives each leader a private workspace shared with you: behavior goals with 1 to 5 ratings, stakeholder feedback rounds by private link or email on a 30, 60 or 90 day cadence, leadership experiments and a decision journal, conversation prep and debriefs, a weekly leadership check-in, and a 90-day plan for a new role. An engagement brief records the sponsor, the agreed outcomes and what may be shared. Sponsors have no login. Review drafts for sponsor meetings show averages only once three ratings are in, and never named replies or private reflections. More on Coachful for executive coaches.

Why Coachful stands out: a free white-glove service. On every Coachful plan, our team will build your website, your engagement offers, your booking flow or a program inside your account, usually within about 24 hours of your request. One recent request came from a leadership coach whose Squarespace renewal was days away: we built one clean, mobile-friendly homepage with a repeated "talk with me" button, connected visually to their sister company. See what the free white-glove service builds.
Where it falls short
- No routing forms that pick a coach from a prospect's answers, and no Salesforce or HubSpot integration.
- No HIPAA certification and no PayPal at checkout.
- No free plan. Team seats come on higher plans, so check the plan shown to you.
Pick it when: you run multi-month engagements that a company pays for and want the booking, the sponsor billing, the stakeholder input and the leader's progress in one place.
2. Calendly: best booking experience and lead routing
Calendly is the scheduler most corporate assistants already know, which is worth something in itself.

What stands out. Sync with Google, Outlook, Office 365, Exchange and iCloud; auto-generated Teams, Zoom, Meet and Webex links; and, on Teams at $16 per seat a month, round-robin, routing forms and Salesforce. Enterprise adds SSO and audit logs. It rates 4.7 on G2 from 2,556 reviews.
Where it falls short for executive coaches. There are no contracts, no client portal and no sponsor billing, and invoicing availability by plan was not fully verified in our research. Every engagement detail lives elsewhere.
Pick it over Coachful when: you run a coaching firm with a sales team that routes enterprise leads by form answers into Salesforce. See Coachful vs Calendly.
3. SavvyCal: best for assistants and busy leaders
SavvyCal focuses on the person booking. Its best-known feature lets the invitee see their own calendar alongside yours while choosing a time, which suits people with packed calendars.

What stands out. A considerate booking experience that does not feel like filling in a form. SavvyCal is not in our pricing research, so we have not listed a price.
Where it falls short for executive coaches. It is a scheduler only. We could not verify paid booking, packages or multi-guest sessions, and it has no engagement or client tools.
Pick it over Coachful when: the only problem you are solving is making it pleasant for a senior leader to find time with you.
4. CoachVantage: best for solo ICF-track coaches
CoachVantage is coaching admin software from Singapore with contracts, coaching logs and invoicing in one place, popular with coaches working toward ICF credentials.

What stands out. Clarity is $39 a month ($35 annually) with unlimited engagements; Aha! is $59 with unlimited booking pages and e-signatures. It syncs with Google Calendar, Outlook and Microsoft 365, sends SMS reminders and takes Stripe or PayPal with no commission. Capterra rates it 4.8 from 26 reviews.
Where it falls short for executive coaches. Clarity caps you at 2 booking pages and 4 e-signatures a month. Reviewers say the built-in video is not good enough and use Zoom instead. There is no mobile app and no team functionality yet.
Pick it over Coachful when: you work alone, want contracts and an ICF coaching log at a low monthly price, and do not need stakeholder or sponsor features.
5. Simply.Coach: best for coaching firms selling to HR
Simply.Coach is a coaching platform with business plans designed around organizations that buy coaching for their leaders.

What stands out. Business plans add admins, sponsors or HR partners, coach matching and stakeholder roles. CoCreate is $79 per active coach a month with 10 clients per coach; Surge is $159 with white label and a custom domain. It has embedded video plus Zoom, Teams and Meet, Outlook and Microsoft 365 sync, native iPhone and Android apps, and claims SOC 2, HIPAA and GDPR compliance. G2 rates it 4.8 from about 146 reviews.
Where it falls short for executive coaches. Per-coach pricing with client caps, a learning curve reviewers call overwhelming, and no website or marketing tools.
Pick it over Coachful when: you run a firm with many coaches serving corporate accounts and procurement asks for SOC 2 paperwork.
6. HoneyBook: best for proposal-led consulting
HoneyBook is a CRM for service businesses where every engagement starts with a proposal, a contract and an invoice.

What stands out. Smart files that bundle proposal, contract and invoice, automations, and a polished client experience. Capterra rates it 4.7 from 687 reviews.
Where it falls short for executive coaches. The scheduler starts on Essentials at $59 a month. HoneyBook is the payment processor, from 2.7% plus 10 cents per card payment, so you cannot use your own Stripe. Google Calendar sync is native and Outlook comes through its integration list. There is nothing for stakeholders or the leader's progress.
Pick it over Coachful when: your work is closer to consulting, with custom proposals for every client and coaching delivered on calls.
7. Dubsado: best for custom onboarding workflows
Dubsado is a client management system known for flexible automations it calls Flows.

What stands out. Two-way sync with Google Calendar and Outlook or Microsoft 365, proposals, contracts, payment plans with autopay, and three users on every plan. Premier, which includes the scheduler, is $55 a month ($43.75 annually).
Where it falls short for executive coaches. Starter has no scheduler at all, there is no SMS, and the learning curve is the most common complaint. No coaching delivery or stakeholder features.
Pick it over Coachful when: you want to build an elaborate, automated onboarding sequence for corporate clients and enjoy configuring software.
A booking flow for a company-paid engagement
Here is a setup we see work for six-month executive engagements. Adapt the numbers to your own packages; our executive coaching cost guide covers typical structures.
- Kickoff with the sponsor. Schedule a three-way session from the leader's record and invite the manager as a guest. Agree outcomes and what will be shared, and record them in the engagement brief.
- Invoice the company. Add the sponsor to the leader's settings and bill the package to them. The sponsor signs the agreement if they are the contracting party.
- Hand the booking link to the assistant. One session type for regular sessions, with its own hours and a 24-hour notice period.
- Run feedback rounds. Send a stakeholder round at day 30, 60 and 90 on the behavior you agreed.
- Close with a review. Download the review draft for the sponsor meeting. It shows averages, not named replies.
Frequently asked questions
What is the best scheduling software for executive coaches?
Coachful is our first choice. It syncs two-way with Outlook and Microsoft 365, creates Teams links, lets a sponsor receive invoices and sign the agreement, invites stakeholders as guests without accounts, and includes an executive coaching workspace with stakeholder feedback rounds. Calendly is the best pure booking experience, and Simply.Coach suits larger firms selling to HR.
How do executive coaches handle assistants who book on behalf of their clients?
Give the assistant your booking link for the right session type. In Coachful, anyone can book from a public session type without an account, using the executive's name and email, and the confirmation and reminders go to that email in the recipient's own time zone. Live availability and a conflict check at submission stop double bookings.
Can a company pay for executive coaching through my scheduling software?
In Coachful, yes. Add the company contact as a sponsor on the leader's record with permission to receive invoices, then bill the package or a manual invoice to the sponsor. Sessions and access stay with the leader. Calendly and SavvyCal do not handle sponsor billing, as listed in October 2026.
How do I schedule a three-way stakeholder session with the leader's manager?
Schedule the session from the leader's record and add the manager as an additional guest. In Coachful, guests join through their own invitation link without an account and you admit them as host. Record what was agreed in the engagement brief so it carries into the next sessions.
Does Coachful work with Outlook and Microsoft Teams?
Yes. Coachful syncs two-way with Outlook and Microsoft 365, blocks busy times from the connected calendar, writes booked sessions back to it, and creates Teams meeting links automatically when a session type uses Teams. Google Calendar, Apple Calendar, Zoom and Google Meet are supported too.
Will Coachful build my executive coaching website and booking pages for free?
Yes. The white-glove service is free on every Coachful plan. Tell the team which pages you want and what visitors should do, such as request a first conversation, and attach your copy and photos. They build it inside your account, usually within about 24 hours, without inventing credentials, testimonials or prices.
Can sponsors see my executive coaching notes?
Not in Coachful. Sponsors have no login. The engagement brief records what may be shared, only the leader can allow stakeholder feedback, and the sponsor review draft never includes named replies or private reflections. Your session notes stay with your coaching staff.
