Best Scheduling Software for Career Coaches (2026)

Best Scheduling Software for Career Coaches (2026)

A career coaching client emails at 9pm on a Sunday: final-round interview on Wednesday, can we do a mock interview before then? That message is the best test of scheduling software for career coaches. Can the client find a slot in the next 48 hours, pay for it without a back-and-forth invoice, and arrive with the job description already uploaded?

Most booking tools handle the calendar part. Fewer handle the rest of a career practice: paid CV reviews, packages of interview prep, a job search that runs for months, and the employer who sometimes pays the bill instead of the client. We compared seven tools on that workflow. Coachful ranks first, and on every plan its team will build your booking pages, your website and your career coaching offers for you, free.

For coaches outside the career niche, our broader roundup of the best scheduling software for coaches uses general criteria.

The five bookings a career coaching practice runs

Career coaching has more booking types than most niches, and each one wants different rules. This is the list we tested against:

BookingTypical lengthWhen it gets bookedWhat you need before it
Free consultation15 to 30 minutesDays or weeks aheadCurrent role, target role, timeline
CV or resume review45 to 60 minutesAfter paymentThe CV and two or three target job ads
Mock interview45 to 90 minutesOften 24 to 72 hours before the real oneJob description, company, interview format
Job-search check-in30 minutes, weekly or fortnightlyRecurring, inside a packageApplications sent, replies, next interviews
Offer and negotiation prep45 minutesUrgent, before an offer deadlineThe offer, competing offers, priorities

Two rows in that table break most schedulers. Mock interviews and negotiation prep need short notice on specific session types while the rest of your calendar keeps a longer notice period. Check-ins need package credits and a weekly rhythm. Keep both in mind as you read.

1. Coachful: best scheduling software for career coaches

Coachful is a coaching platform with scheduling, payments and a career-specific toolkit in the same account. That matters for career coaches because the session is only part of the job. The other part is a job search that runs for weeks between your calls.

Booking rules that fit career work

  • Session types with their own rules. Your consultation call can sit on two afternoons a week with a day's notice, while mock interviews open more hours with shorter notice. Hours, buffers, minimum notice and the booking window can all be overridden per session type.
  • Paid at booking. A CV review or a mock interview takes payment inside the booking flow through your own Stripe or Razorpay account, with Apple Pay and Google Pay and a 0% platform fee. Clients who bought an interview prep pack book with their session credits.
  • Prep that arrives first. Booking forms can ask for the job ad and the interview format, and you can attach a worksheet the client has to finish before the call.
  • Live calendar checks against Google, Outlook and Apple calendars, and a second check when the client presses book, so the Wednesday slot is not double-booked.
  • Video handled. Built-in video, or Zoom, Google Meet or Teams links created automatically. Recorded sessions can be summarized by Michelle, the built-in AI assistant, which is handy after a mock interview.
  • Reminders by email, plus text at 24 hours and WhatsApp at 1 hour once messaging is on.

The Career Coaching power-up

Coachful's Career Coaching power-up gives each client a private tracker that you can see and edit: networking connections, job applications and interviews, a LinkedIn content plan and their CV. Clients get reminders for follow-ups, interviews and planned posts, and you get an overview of what is due across every client. The CV can be exported, and connections can be exported to Excel. It turns "how is the search going?" into something you can read before the call. More on Coachful for career coaches.

Employer-paid packages

When a company pays for a client's coaching, as with outplacement or a sponsored career transition, you can add the company contact as a sponsor in the client's settings. A sponsor can receive invoices and sign the agreement, while the sessions and access stay with the client.

Why Coachful stands out: a free white-glove service. On every Coachful plan, our team builds what you ask for inside your account: a website, a discovery call funnel, a CV review offer, an interview prep package or a program. Requests are usually turned around within about 24 hours. The sample request below asks for a rebuild from Squarespace with pages where visitors pick a service, pay online and book straight away. Where it falls short

  • No free plan, only a free trial, and entry plans cap clients.
  • No routing forms and no PayPal at checkout.
  • No HIPAA certification, which rarely matters for career work but does for some health-adjacent coaches.

Pick it when: you sell reviews and interview prep, run multi-week searches and want the tracking, the bookings and the payments in one login.

2. Calendly: best for consult and review links

Calendly handles the booking moment better than almost anyone, and its event types map neatly onto career services.

Calendly's homepage in October 2026.

What stands out. A free plan with one event type and one calendar, and Standard at $10 per seat a month ($8.30 annually) with unlimited event types, multiple calendars and Stripe or PayPal payments. Each event type has its own duration and notice, so a mock interview link can behave differently from a consultation.

Where it falls short for career coaches. Nothing happens after the booking: no client space for the CV, no application tracking, no contracts and no built-in video.

Pick it over Coachful when: your service is a single paid review or consultation and the client's job search is entirely their business.

3. Acuity Scheduling: best for selling session packs

Acuity is an appointment scheduler with intake forms on every plan and packages from its Standard plan.

What stands out. Starter is $20 a month ($16 annually) with custom intake forms, useful for collecting the job ad before a mock interview. Standard at $34 adds packages, subscriptions and text reminders for up to six calendars. Payments go through your own Stripe, Square, PayPal or Venmo.

Where it falls short for career coaches. No free plan, email-only support (Trustpilot 3.7), and no place for the job search between sessions.

Pick it over Coachful when: you sell "three mock interviews" as a pack and want mature package booking with no other features to learn.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

4. Simply.Coach: best for corporate-sponsored programs

Simply.Coach is a coaching platform with booking, programs and business plans built around organizations that buy coaching for their people.

Simply.Coach homepage with the headline More clients. Less Admin. More Impact. and buttons to schedule a demo or start a free trial
Simply.Coach's homepage in October 2026.

What stands out. Booking pages with Google and Outlook sync, embedded video plus Zoom, Teams and Meet, and native iPhone and Android apps. Business plans add admins, sponsors or HR partners and coach matching. Solo plans start at $9 a month for 3 clients, and Growth is $49 for 30 clients with multiple calendars and recurring sessions. It rates 4.8 on G2 from about 146 reviews, as listed in October 2026.

Where it falls short for career coaches. Client and contract caps on every solo tier below Leap, a learning curve reviewers call feature overwhelm, and no career-specific tracking for applications or a CV.

Pick it over Coachful when: you mostly sell to HR teams, need stakeholder roles and coach matching across a firm, or need its SOC 2 and HIPAA claims for procurement.

5. Paperbell: best flat price for 1:1 packages

Paperbell sells a coaching package, signs the contract, takes payment and books the first session in one checkout.

What stands out. One plan at $57 a month or $570 a year, unlimited clients and a 0% platform fee. Booking includes time-zone detection and reminders, with Google, Apple and Outlook sync.

Where it falls short for career coaches. No application or interview tracking, no native app, Zoom links rather than built-in video, and one coach per account.

Pick it over Coachful when: you sell two or three fixed packages, want unlimited clients at a flat price and track the job search somewhere else.

6. Cal.com: best for a do-it-yourself stack

Cal.com is open-source scheduling software you can use hosted or run yourself, with detailed event settings and integrations.

What stands out. Fine control over event types and the option to self-host. Good if you already run your practice from a set of tools you like.

Where it falls short for career coaches. Everything beyond the booking is yours to assemble. Cal.com is not in our pricing research, so we have not listed a price.

Pick it over Coachful when: you are technical and want a scheduler you can bend exactly to your workflow.

7. Stan: best for selling CV reviews from social

Stan is a link-in-bio store for creators. Career coaches with a following on LinkedIn, TikTok or Instagram use it to sell resume templates and paid calls from one link.

What stands out. The Creator plan at $29 a month includes calendar bookings for coaching calls, courses and downloads, with a 0% platform fee. It has 4.7 on Trustpilot from 2,156 reviews, as listed in October 2026.

Where it falls short for career coaches. Google Calendar is the only calendar sync we could verify, and there are no contracts, invoices, intake beyond booking questions or client records. Some reviewers report payout delays.

Pick it over Coachful when: most of your revenue is templates and one-off calls sold to an audience, not ongoing coaching.

Employer-paid career coaching: who pays, who books

Outplacement and sponsored career transitions add a third person to the booking: the employer. The pattern that works is simple, and our guide to company-funded coaching billing covers the paperwork in detail.

  1. The employer buys the package. Invoice the company for a fixed number of sessions. In Coachful, add the company contact as a sponsor who receives invoices.
  2. The client books. The person being coached books against their credits on your normal booking page, so the employer never sees their calendar.
  3. You agree what gets reported. Decide up front whether the employer hears anything beyond "sessions used". Put it in the agreement and keep notes private.

If you are pitching a pilot to an HR team, our piece on packaging an employer-paid coaching pilot is a good starting point.

Frequently asked questions

What is the best scheduling software for career coaches?

Coachful is our top pick: session types with their own notice rules, payment or package credits at booking, prep before each call and a Career Coaching power-up that tracks applications, interviews, networking, the LinkedIn plan and the CV between sessions. Calendly is the best simple link for consults and reviews, and Acuity is strong for selling session packs.

How do I let clients book a mock interview at short notice without opening my whole calendar?

Give mock interviews their own session type with a shorter minimum notice and its own hours, and keep the longer notice on everything else. Coachful lets each session type override your hours, buffers, notice and booking window. Calendly also sets notice per event type.

Can career coaching clients pay for a CV review when they book?

Yes. In Coachful the review is a paid session type, so the client pays through your Stripe or Razorpay account during booking, with a 0% Coachful platform fee. Calendly, Acuity, Paperbell and Stan also take payment at booking, as listed in October 2026.

What is the best scheduling app for a solo career coach who sells interview prep packages?

Choose a tool that spends package credits at booking and asks for the job description on the booking form. Coachful does both and adds application and interview tracking. Paperbell is the flat-price alternative at $97 a month with unlimited clients, and Acuity's Standard plan at $34 a month supports packages.

Can a company pay for a client's career coaching sessions?

Yes. In Coachful you add the company contact as a sponsor on the client's settings, with permission to receive invoices and sign agreements, while the sessions stay with the client. Simply.Coach's business plans also support sponsors and HR partners.

Will Coachful build my career coaching website and booking pages for free?

Yes. The white-glove service is free on every plan. Tell the team which pages you want (for example a CV review page and an interview prep package), what visitors should do, and attach your copy, logo and photos. They build it in your account, usually within about 24 hours, and you can edit everything afterwards.

Can I track my clients' job applications in my scheduling software?

Not in a standalone scheduler. Coachful's Career Coaching power-up gives each client an application and interview tracker, a connections list, a LinkedIn content plan and a CV, with reminders for follow-ups and interviews. Read our guide to creating a career coaching program for how to structure the weeks around it.
