Free Booking Software for Coaches: 8 Honest Picks (2026)

Free booking software for coaches is real, but "free" means very different things depending on the tool. Some free plans are genuinely usable for a single discovery call. Others are free for one client, or only for clients who are not paying you, or free until you want to take a payment, which for a coach is roughly day three.
This guide sorts the honest free options from the trials in disguise. We checked eight tools on what the free plan actually covers and where the limit bites. We also include the option we think is worth paying for once money changes hands. Coachful has no free plan: booking is included in your Coachful membership, alongside payments, intake and the client app, so you stop stitching free tools together. The white-glove service, where our team builds your booking pages and website for you, is free on every plan.
For free tools beyond booking (forms, invoicing, notes and video), see our wider guide to free coaching software.
What "free" means on each booking tool
Ranked by: how much of a coach's booking job the tool does at no cost, with Coachful first as the membership option for coaches who already take payment.
| Tool | What is free | The limit that bites | Best for |

| 1. Coachful | No free plan. Booking is included in your Coachful membership, with payments, intake and the client app. Start with a free trial. | A paid membership | Coaches tired of stitching free tools together |
| 2. Calendly | Free plan forever | 1 event type, 1 calendar connection | One discovery call link |
| 3. Systeme.io | Free plan forever | 2,000 contacts, 3 funnels; calendar sync unverified | Booking plus a funnel and email |

How we judged the free plans
We asked the same four questions of every tool:
- Can a stranger book a real time on your real calendar without you confirming by email?
- Can you ask questions before the call, so you know who is coming?
- Can the client pay on the free plan, or does payment need an upgrade?
- What happens at the limit: a gentle cap, a hard wall, or a free plan that only works for people who are not paying you?
1. Coachful: booking included in your membership
We will say it plainly: Coachful is not free booking software, and there is no free plan. You can start with a free trial, and after that it is a paid membership. Booking is included in your Coachful membership, alongside payments, intake and the client app, so you stop stitching free tools together. It is on this list because most coaches searching for free booking software are one or two clients away from needing the parts free tools leave out.
What is included in your membership
- Discovery calls and paid sessions on one calendar. Give away a discovery call and charge for sessions, with payment taken in the booking flow through your own Stripe or Razorpay account and a 0% Coachful platform fee.
- Packages with session credits, so clients book against what they bought instead of paying again.
- Intake on the booking form: your questions, a consent notice and a worksheet to finish before the call, saved on the client record.
- Live availability from two-way Google, Outlook and Apple calendar sync, with buffers, minimum notice and a conflict check at submission.
- Video and reminders handled: built-in video or automatic Zoom, Meet or Teams links, email reminders, plus text and WhatsApp once messaging is switched on.
- Booking wherever people find you: on your website, inside your link-in-bio page or in a booking funnel.

After booking, the client has a home: the next session, the link, the prep you asked for and your notes, on the web or in the iPhone and Android app. Free schedulers send an email and leave it there.

Why Coachful stands out: a free white-glove service. The subscription is paid, but the setup does not have to cost you a weekend. On every plan, the Coachful team will build your booking pages, website, discovery call funnel or offers inside your own account, usually within about 24 hours of your request. You fill in a form under Create, then "We'll build it for you · FREE". Here is what the free white-glove service includes.
Where it falls short. It costs money every month, entry plans cap clients, and it has no routing forms or PayPal checkout. If you have no clients yet, start with one of the free tools below and come back when the admin starts eating your evenings.
2. Calendly: the most usable free plan for one call
Calendly's free plan has no time limit and is the one most coaches should try first.

What is free. One event type, one calendar connection, a booking page and a browser extension. New accounts start on a 14-day trial of the Teams plan without a card, then drop to Free and keep their data.
Where the limit bites. One event type means one kind of call. A paid session, a second call length or payments need Standard, at $10 per seat a month. Branding and workflows such as SMS reminders are paid features.
Pick it when: you need a free discovery call link and nothing else yet. When you outgrow it, our Coachful vs Calendly comparison shows what changes.
3. Systeme.io: the most generous free plan beyond booking
Systeme.io is an all-in-one marketing platform with a free-forever plan and no transaction fees.

What is free. Up to 2,000 contacts, 3 funnels, 1 course, 1 community, 1 blog, a custom domain and unlimited emails, with a 0% platform fee. Its feature list includes a native booking calendar with paid appointments. Trustpilot rates it 4.9 from 8,424 reviews.
Where the limit bites. We could not verify Google or Outlook calendar sync for the booking calendar, which is the one thing a booking tool must get right. There are no live sessions or coaching delivery; calls run on your own Zoom links.
Pick it when: you want a free funnel, email list and booking page in one account and can live with checking calendar conflicts yourself.
4. Paperbell: free trial, then $97 per month
Paperbell has no free plan, but its free trial gives you the full product for 7 days.

What is free. Package checkout with contract, payment, intake and booking, with Google, Apple and Outlook sync, for one client and no card. Its coaching site stays live for the first 7 days on the free plan.
Where the limit bites. Your second client triggers the paid plan at $57 a month or $570 a year. That is fair, but it means the free plan is a trial measured in clients rather than days.
Pick it when: you want to test a real paid package flow with one client before committing to anything.
5. Cal.com: free if you are technical
Cal.com is open-source scheduling software. You can use its hosted product or run it on your own server.

What is free. The code, if you self-host. Cal.com is not in our pricing research, so we have not listed hosted plan prices or limits.
Where the limit bites. Self-hosting moves the cost from a subscription to your time: setup, updates and fixing it when something breaks the night before a launch.
Pick it when: you are comfortable with servers and want full control of your booking system.
6. Satori: free only for pro bono clients
Satori is coaching admin software with a free Scholar plan.

What is free. The Scholar plan, for pro bono (unpaid) clients only. Paid plans start with Essentials at $33 a month for up to 10 active paying clients.
Where the limit bites. The moment a client pays, they are not eligible for Scholar.
Pick it when: you are building practice hours toward a credential with unpaid clients and want enrollment, agreements and booking handled.
7. Setmore: free scheduling for simple bookings
Setmore's homepage calls it free scheduling software, with automated online booking, reminders and payments.

What is free. A booking page, according to its homepage. Setmore is not in our pricing research, so we could not verify what the free tier includes or caps.
Where the limit bites. It is a general appointment tool with no coaching features. Check whether payments and reminders are on the free tier before you rely on them.
Pick it when: you need a basic appointment page and your clients book like customers of any small service business.
8. Trainerize: free for exactly one client
Trainerize is an online training app for fitness coaches with a free Basic plan.

What is free. One client, with the mobile app, workouts, basic messaging and habit coaching. New accounts also get a 30-day trial with unlimited clients and no card.
Where the limit bites. One client. Grow is $10 a month for two, and in-app payments need a $10 add-on.
Pick it when: you are a trainer testing an app with your first online client.
What free booking software still costs you
A free scheduler is free in money and not always in time. Run the numbers on your own week. As an example, if a booking on a free tool leaves you five to ten minutes of work (sending a payment link, chasing it, copying intake answers into your notes, sending the video link and a reminder) and you run 30 bookings a month, that is somewhere between two and a half and five hours a month of admin.
The free tool is the right choice when those hours are cheap: you have few clients, plenty of time and no payment to collect yet. Once you sell packages, the hours tend to cost more than a subscription. Three things are worth setting up whatever you use:
- Keep the free call link from being abused. Our guide to safe discovery call bookings covers screening questions and notice periods.
- Decide free versus paid first sessions. See discovery session vs paid first session.
- Build a page that converts. Our coaching booking page guide has copy and intake questions you can lift.
Frequently asked questions
Is there free booking software for coaches?
Yes. Calendly has a free plan with one event type and one calendar connection, Systeme.io has a free-forever plan that lists a booking calendar, Paperbell offers a free trial rather than a free plan, and Cal.com is open source if you self-host, as listed in October 2026. Most free plans exclude payments or multiple session types.
Is Calendly free for coaches?
Calendly's free plan is free forever for one event type and one calendar connection, which suits a single discovery call. Taking payment, adding more event types or sending SMS reminders needs a paid plan, starting with Standard at $10 per seat a month, as listed in October 2026.
Does Coachful have a free plan?
No. Coachful has a free trial and then a paid membership, and there is no free plan. Booking, payments, intake and the client app are included in your Coachful membership, and Coachful charges a 0% platform fee on what you sell. The white-glove service, where the Coachful team builds your website, booking pages, funnel or offers, is free on every plan.
What is the best free scheduling app for a new coach with no clients yet?
Calendly's free plan. Set up one discovery call with three screening questions and a day's notice, connect your main calendar and put the link on your bio and website. Spend your energy on getting calls booked; upgrade when you start selling packages or need a second kind of session.
Can I take payments with free booking software?
Rarely on a free plan. Calendly needs Standard for payments, and Paperbell has no free plan, only a free trial. Systeme.io's free plan has a 0% platform fee and lists paid appointments, but we could not verify its calendar sync. In Coachful, payment at booking goes to your own Stripe or Razorpay account.
Is Coachful's white-glove setup really free?
Yes. It is included on every Coachful plan at no extra cost. You describe what you want built (website, booking pages, a funnel, offers, a program), attach links and files, and the team builds it in your account, usually within about 24 hours. It does not include recording your videos or managing your ads.
When should a coach stop using free booking software?
When you are chasing payments, copying intake answers by hand or juggling more than one session type. Those are the jobs free plans leave out. At that point, compare the monthly cost of a paid booking tool that takes payment, attaches intake answers to the client and sends reminders with the hours you are spending doing those things by hand. Compare options in our scheduling software roundup.
