Top 7 AI Tools for Sales Coaches in 2026

Top 7 AI Tools for Sales Coaches in 2026

Most AI tools for sales coaches fall into two camps. Call recorders summarize what was said on a call, and chat assistants help you rehearse objections or draft a follow-up. Both are useful. Neither one gets a rep to book ten more discovery calls next week, and neither knows that your Thursday client skipped two check-ins in a row. So the real question when you pick AI for a sales coaching practice is where the AI sits: on one call, or across the whole client journey, from the first consultation to week twelve of the program.

Our pick is Coachful. Its assistant, Michelle, works from the live data in your practice (sessions, check-ins, goals, notes, payments), and the same login also runs your booking, contracts, payments, programs and funnels. We make Coachful, so weigh that, and read the six other tools on their own terms: two of them, Fathom and Claude, pair well with any coaching platform, and three are honest alternatives for specific practices. If you want the wider view first, our parent guide to the best AI tools for coaches covers every niche, and best software for sales coaches compares platforms without the AI lens.

Which questions should a sales coach answer before choosing an AI tool?

Answer five questions about your practice first; the answers point to a pick more reliably than any feature list. Write the answers down, then use the table in the next section.

  1. Do your clients work on a program between calls, or do they just book sessions? A rep on a 12-week plan with weekly activity targets (calls made, meetings booked, follow-ups sent) needs habits, check-ins and goals the AI can read. A founder who books four ad hoc strategy calls a year does not.
  2. Who pays: the individual rep, or their employer? Sponsor-paid work means agreements signed before the first call, invoices to a company and sometimes a manager who wants progress reports. Self-paid reps care more about payment plans and a clean checkout.
  3. Whose calls does the AI need to hear? Your own coaching sessions are one thing. Your client's live sales calls, with their prospects on the line, are another, and they raise consent and confidentiality questions covered in the red-flags section below.
  4. How do you sell your own coaching? Sales coaches are usually judged on how they sell themselves. If you run webinars, lead magnets and email sequences, the tool needs funnels and email, not only a calendar.
  5. How many tools, and how much setup time, will you put up with? A recorder, a chatbot, a scheduler, a CRM, a course host and an email tool can cost more in total than one platform, and every handoff between them is a place where client data goes stale.

Which tool matches your answers?

Match your answers to the pattern below. Most sales coaches who deliver programs land on the first row; the others fit narrower situations.

How did we rank these AI tools for sales coaches?

We ranked on four criteria that decide whether AI saves a sales coach time or just adds another tab. They are listed in the line above the table. Prices are as listed on each vendor's page in October 2026; we did not test these tools hands-on, so the notes reflect what vendors document and what public reviewers report.

Ranking criteria: one login for the whole client journey, AI and delivery between sessions (not only on calls), total stack cost at 5 to 40 clients, and setup effort, including a free white-glove build where one exists.

1. Coachful: why is it the best AI tool for sales coaches who run programs?

Coachful puts its AI on top of the data a sales coach already collects, so the assistant knows which client is slipping before you open the call. It is a coaching platform where one subscription covers booking, payments, contracts, programs with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for you and one branded app for your clients.

What Michelle does with a sales coach's practice data

Michelle is the built-in AI assistant, and it works from live practice data rather than from whatever you paste into a chat window. For a sales coach that changes three routines:

  • Before a session, Michelle briefs you from the client's live record, where their check-ins, goals, notes and intake answers sit. If a rep's evening check-ins say "no calls booked" three days running, you walk in knowing it.
  • After a recorded session, it summarizes the conversation, so your notes on a rep's discovery framework or objection practice land on the client record instead of in a separate notetaker.
  • Between sessions, it drafts emails and content and can build programs. Ask for a six-week "first 30 seconds of a cold call" module and it drafts the structure for you to edit.

Questions and planning with Michelle are included in your Coachful membership; confirmed builds and changes use AI credits. There is also optional private feedback on your own coaching against ICF Core Competencies 3 to 8, which is useful if you are a former sales manager working toward a credential and want to catch yourself telling instead of coaching. Coachful's ICF credential tracking counts your coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports a client coaching log with paid and pro bono hours.

The second AI feature is the AI Coach: an AI version of you that selected clients can chat with between sessions. You configure it, so you decide what it covers, for example your call-planning framework, and which clients get access. Read our guide to setting up an AI coaching assistant that stays in its lane before you switch it on. Here is a walkthrough of the AI Coach:

From discovery call to signed client

Sales coaches sell to people who know a weak close when they see one, so your own pipeline has to run cleanly. Booking pages handle availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync and built-in video or auto-created Zoom, Meet or Teams links. You can ask intake questions on booking (current quota, ramp stage, the CRM their company uses), and reminders go out by email, plus SMS at 24 hours and WhatsApp at 1 hour once messaging is enabled.

Coachful's Intakes page with demo data: 10 intakes, 3 upcoming, 2 converted and a 40% conversion rate, above a table of intake calls.

Coaching agreements with e-signature go out before the first call and are stored on the client record, which matters when an employer is paying and wants the scope in writing. Payments run through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, order bumps, coupons and refunds, with an invoice per transaction plus manual invoices for sponsor billing. Coachful charges a 0% platform fee (since August 2026); only Stripe or Razorpay processing applies.

Where reps do the work between calls

Sales results come from daily activity, which is why program delivery matters more here than in most niches. Coachful runs multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Each client record holds goals, check-ins, habits, notes, intake answers, tags, payments, sessions and an AI briefing, with a status of thriving, active, quiet or at risk.

If you coach a whole sales team, cohort groups are created automatically on program enrollment, with a community feed, group chat, direct messages and video events. Team plans (Studio and Agency) add coach seats with per-coach availability and staff permissions, and multi-coach session types can assign by round-robin or least-busy.

What it will not do for a sales coach

Coachful is not a sales CRM for your clients' deals. It has no multi-stage deal board for large teams and no Salesforce or HubSpot integration, so it will not pull a rep's pipeline in automatically; your reps report activity through check-ins and goals instead. It has no routing forms that pick a host from form answers, no PayPal and no permanent free plan. It is not HIPAA-certified, and the client app ships under the Coachful listing with your branding, not under your own App Store account.

Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you · FREE", describe what you want and attach up to 8 reference links and up to 10 files (logo, brand guide, copy, your existing deck as a document). The Coachful team builds it inside your own account, usually within about 24 hours. For a sales coach that might be a sales page for a 90-day quota program, a discovery-call booking funnel or a follow-up email sequence. Nothing gets invented: no fake testimonials, credentials or prices, and gaps are left for you to fill. It does not cover recording videos, logo design, ad management or ongoing marketing. One recent build: a business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. More in how the free white-glove service works.

Coachful in short. What it is: a coaching platform that combines booking, payments, agreements, programs, courses, community, website, funnels, email and an AI assistant in one login. Who it is for: coaches who deliver programs, not just sessions; solo coaches growing into a small team; coaches replacing 4 to 6 tools. What it does not do: clinical records, HIPAA work, PayPal, deal-board CRM or Salesforce/HubSpot sync. How to start: begin a free trial, then request the free white-glove build so your site, funnel or program is ready to use (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). The Coachful page for sales coaches shows the niche setup.

2. GoHighLevel: is an agency CRM a good AI tool for sales coaches?

GoHighLevel suits sales coaches whose business is mostly lead generation, especially those who came from agency or SDR work and want SMS, email and funnels in one marketing CRM. It is weaker once a lead becomes a client in a program.

Desktop screenshot of GoHighLevel's public homepage, October 2026
GoHighLevel's homepage in October 2026.

The lead-machine case

HighLevel is an agency-first all-in-one marketing CRM covering funnels, websites, calendars, SMS and email, invoicing, contracts, courses and communities, all organized around sub-accounts. Plans include unlimited users and contacts. If you run outbound campaigns for your own coaching, or you coach agency owners who already live in it, the familiarity counts. Its Trustpilot score was 4.9 from 15,250 reviews in October 2026, the highest review volume in this list.

Where the meter runs

As listed in October 2026, Starter is $97/mo ($80.83/mo billed annually) with 3 sub-accounts, Unlimited is $297/mo ($247.50/mo annually) and Agency Pro is $497/mo ($414.17/mo annually), with Enterprise priced on request. SMS, email, phone and AI usage are metered and billed on top of the plan, and the per-unit rates sit on separate pricing guides rather than on the pricing page, so budget for usage before you count AI as "included". There is a 14-day free trial on any plan, billing starts automatically at the end unless you cancel, and usage-based telecom fees can apply during the trial. HighLevel shows no platform fee on sales, only payment provider fees.

Gaps for program delivery

There is no habit tracking, client check-ins or structured coaching-program engine; you would have to simulate weekly activity targets with workflows and forms. There are no built-in video rooms, only Zoom and Google Meet links. For a sales coach whose value is week-by-week accountability, that is a lot of building, and AI that reads simulated check-in forms is only as good as the forms.

Pick it over Coachful if you run a high-volume outbound or SMS operation across several brands or client sub-accounts, and coaching delivery is a small part of what you do.

3. Kajabi: does a course platform cover sales coaching?

Kajabi fits sales trainers whose income is mostly recorded courses and a paid community, where AI helps produce content rather than track individual reps. If you sell a self-paced "outbound fundamentals" course to hundreds of buyers, it is a credible home.

Desktop screenshot of Kajabi's public homepage, October 2026
Kajabi's homepage in October 2026.

Strengths for a training-product business

Kajabi is a course, community, website, funnel and email platform built for selling knowledge products. A sales coach who has turned a methodology into modules, with a community for alumni, gets a polished storefront and email marketing in one place. AI credits come only with the Growth and Pro plans.

Plan limits that bite

As listed in October 2026: Basic is $179/mo ($143/mo annually) with 5 products, 2,500 contacts, 1 community and 0 AI credits; Growth is $249/mo ($199/mo annually) with 50 products, 25,000 contacts and 500 AI credits; Pro is $499/mo ($399/mo annually) with unlimited products, 100,000 contacts, 3 communities and 1,000 AI credits. So the cheapest plan has no AI credits at all. Kajabi Payments in the US charges 2.9% + $0.30 on Basic down to 2.7% + $0.30 on Pro, and using another processor (other than PayPal) adds a Kajabi fee of 2%, 1% or 0.5% depending on plan. The standard trial is 14 days; a card is optional, and if you enter one Kajabi places an authorization hold and charges when the trial ends. Its Trustpilot score was 3.4 from 2,347 reviews in October 2026.

What it leaves to you

There are no habit tracking or daily client check-ins; coaching happens through products and communities, not per-client plans. A rep's weekly call targets have nowhere native to live.

Pick it over Coachful if your revenue is mainly course sales at volume and you rarely coach individuals between calls.

4. CoachVantage: when does a per-coach practice manager make sense?

CoachVantage suits a solo sales coach who runs mostly one-to-one sessions and wants unlimited contacts at a fixed per-coach price. It is coaching practice management first; AI is not part of what we could verify from its plans.

Desktop screenshot of CoachVantage's public homepage, October 2026
CoachVantage's homepage in October 2026.

What a session-based sales coach gets

CoachVantage covers a coaching CRM, scheduling, contracts with e-signatures, invoices, a client portal, group programs and small courses. Contacts and engagements are unlimited on both plans, which helps if you keep a long list of past reps who come back before each new quarter. It states "no commissions on the revenue you earn"; Stripe and PayPal fees apply, and PayPal support may matter if your clients prefer it.

Caps on the entry plan

As listed in October 2026, Clarity is $39/mo ($35/mo annually) and allows 2 group programs, 2 sales pages, 2 booking pages, 4 e-signatures per month, 2 contract templates, 2 courses and 500 MB. Aha! is $59/mo ($53/mo annually) with unlimited group programs (with cohorts), sales pages, booking pages and e-signatures, plus 5 contract templates, 5 courses and 1 GB. Four e-signatures a month is tight for a coach signing a sales team. There is a 14-day trial with no credit card needed.

AI and team notes

The plan details we have from its pricing page do not name AI features, so ask during the trial what exists for summaries or drafting. Our September 2026 profile notes no team or multi-coach features, and reviewers have reported its built-in video (CVMeet) as weak, with many users still running sessions on Zoom.

Pick it over Coachful if you coach alone, take PayPal, and need a contact-unlimited CRM with contracts more than programs, funnels or AI.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

5. Simply.Coach: is it built for corporate sales-team engagements?

Simply.Coach is the most sponsor-aware option here: its business tiers name sponsors and program managers, which maps to a VP of Sales paying for a team's coaching. Solo tiers carry tight caps.

Desktop screenshot of Simply.Coach's public homepage, October 2026
Simply.Coach's homepage in October 2026.

The sponsor angle

The platform covers contracts, programs, sessions, booking pages, a client portal and business or enterprise tiers. As listed in October 2026, the business plans are priced per active coach: CoCreate at $79/mo with 10 clients per coach, and Surge at $159/mo with 25 clients per coach, 2 program managers and 5 sponsors. If your engagements look like "eight account executives, one sales director, quarterly reviews", that vocabulary fits.

Counting coachees on the solo tiers

Solo pricing as listed in October 2026: Starter $9/mo (3 active coachees, 1 contract, 1 program, 1 GB, 1 calendar), Essentials $29/mo ($24.17/mo annually; 7 coachees, 3 contracts, 3 programs, 10 GB), Growth $49/mo (30 coachees, 10 contracts and programs, 50 GB, 3 calendars) and Leap $69/mo (unlimited coachees, contracts and programs, 100 GB). Every tier below Leap caps clients, contracts and programs. There is a 14-day trial with no credit card required, transaction fees are not stated, and there are no refunds for mid-period cancellations. Automated invoices were marked "Coming Soon" on the solo pricing page.

AI status

As with CoachVantage, the plan details we have do not list AI features, so confirm what exists before you count on AI for briefings or summaries.

Pick it over Coachful if most of your work is corporate team engagements where sponsors and program managers need their own roles, and you do not need funnels, email or between-session habits.

6. Fathom: should a sales coach add an AI notetaker?

Fathom is the best fit here for one narrow job: recording calls and summarizing them in sales frameworks. It is a strong add-on to any coaching platform, not a replacement for one.

Why the summary templates matter in this niche

Fathom records and transcribes meetings and writes instant AI summaries. Its advanced summaries offer more than 15 meeting templates, including BANT and Sandler, so a recorded role-play or a client's discovery call comes back organized the way sales people already think. Its Business plan adds coaching metrics that track speaking patterns, AI scorecards, deal view and CRM field sync; it lists HubSpot and Salesforce integrations, plus Claude and ChatGPT integrations. Bot-free capture was in beta for Mac in October 2026.

The pricing, plan by plan

As listed in October 2026: the Free plan includes unlimited recordings and transcriptions, instant AI call summaries, clips and search. Premium is $20/mo per user ($16/mo annually) and adds advanced summaries, AI action items and the conversational meeting assistant. Team is $19/mo per user ($15/mo annually) with a 2-user minimum, and Business is $34/mo per user ($25/mo annually), also with a 2-user minimum. Every plan shows a 90-day guarantee. Coaching metrics and scorecards sit on Business, so a solo coach pays for at least two seats to get them.

Its limits for a coaching business

Fathom knows your calls, not your clients' weeks. It does not book sessions, take payments, send agreements or track habits. And if you record a client's calls with their prospects, you are handling third-party data, which brings in consent rules (see the red flags section).

Pick it over Coachful if you already have a coaching platform you are happy with and only need framework-based summaries and scorecards on recorded sales calls. Many coaches run both.

7. Claude: is a general AI assistant enough for role-play and scripts?

Claude is a general-purpose assistant that is good at the conversational work sales coaches do: playing a skeptical buyer, rewriting a discovery script, or turning call notes into a talk track. It knows nothing about your clients unless you tell it.

Role-play and drafting uses

Voice mode is available on the free plan, so a rep can practice handling "send me something in an email" out loud, and you can set the AI up as a procurement lead with a specific budget objection. Projects (up to 5 on Free) let you keep your methodology, scripts and an example discovery call script in one place so each chat starts from your framework. Memory across conversations is listed on every plan, and model training is listed as opt-out.

Plans as listed in October 2026

Free is $0. Pro is $20/mo billed monthly, or $17/mo with the annual discount ($200 billed up front), and adds more usage, research and more models. Max starts at $100/mo for heavier use. Prices exclude tax and usage limits apply on every plan. We could not verify ChatGPT's pricing page on the day we checked, so we have not listed its prices here; it works in a similar way.

What a chatbot cannot see

Every client detail has to be pasted in by hand, and nothing flows back to a client record. That is fine for a weekly role-play prompt and tedious for briefing yourself on 15 reps. Do not paste prospects' personal details from a client's calls into any chatbot without checking your agreement with the client and their employer.

Pick it over Coachful if you only need a role-play partner and writing help, and you already run bookings, payments and delivery somewhere else.

How do the seven tools compare feature by feature?

The split is clear: only one tool combines AI with between-session delivery and selling your own offers. "Not listed" means the vendor details we have do not mention it, not that it is confirmed missing.

What does each tool cost at 5, 15 and 40 clients?

Recorders and chatbots stay cheap at any client count, but they do not replace your platform, so the fair comparison is platform plus add-ons. Monthly list prices, as listed in October 2026; annual billing is lower where offered.

Tool5 clients15 clients40 clientsWhat else you pay for

Two notes. At 15 clients the CoachVantage Clarity plan's 4 e-signatures a month can push a coach signing a team to Aha!, which is why the table moves up a tier. And a typical stitched stack, for example Simply.Coach Growth plus Fathom Premium plus Claude Pro, comes to $89 a month before any email or funnel tool, as an illustrative total.

How does a sales coach set this up in Coachful, step by step?

Here is an example setup for a coach selling a 12-week "pipeline discipline" program to account executives, some self-paid and some paid by their employer. The numbers in it are examples, not recommendations.

  1. Request the build first. From Create, ask the white-glove team for a sales page for the program and a free "five-question discovery call audit" lead-magnet funnel. Attach your current deck as a document and your logo.
  2. Set up the discovery call. Create a booking page with a 15-minute buffer and a day's minimum notice, and add intake questions: role, current quota attainment, average calls per week, the CRM their company uses, and who pays.
  3. Write the agreement once. Build a coaching agreement that covers confidentiality, what you will and will not see from their calls, and sponsor reporting. It goes out for e-signature before the first session.
  4. Price it. Connect Stripe, then offer a one-time price and a three-part payment plan, and issue manual invoices for employer-paid seats. To set the price, work back from the result the program targets and the hours you put in, rather than copying a competitor.
  5. Build the weekly engine. Use Michelle to draft the 12-week program, then edit: a weekly goal (for example, 12 discovery calls booked), daily tasks (a 45-minute prospecting block), habits and a morning and evening check-in that asks how many conversations happened.
  6. Turn on briefings. Before each session, read Michelle's briefing and the client's status. Record the session (with consent, see introducing AI session notes with informed consent) so the summary lands on the client record.
  7. Group the cohort. When a company enrolls a team, the cohort group is created on enrollment; schedule a weekly group call for live role-play and keep one-to-ones for deal-specific coaching.
  8. Follow up by email. Add a sequence for people who book but do not buy, with delays between emails and an A/B split to test two subject lines. The high-ticket coaching sales script gives you the stages to mirror.

Here is a walkthrough of the Intakes area, where the discovery calls from step 2 appear:

What red flags and switching costs should sales coaches watch for?

The biggest risks are AI costs that are metered rather than included, caps that bite as you grow, and recording other people's calls without the right consent. Check each one before you move your practice.

Recording calls that include your client's prospects

Your own sessions involve you and your client. A rep's live sales calls involve their buyers, who never agreed to you or your AI tool. In the US, federal law allows recording when one party consents (18 U.S.C. § 2511), but several states require every party's consent, and in the EU the GDPR treats recordings as personal data that needs a lawful basis. The rules vary by location and by the client's employer policy, so check with an attorney, and write what you will review into your coaching agreement. For background on the human side of this, see will AI replace coaches.

Metered and credit-based AI

GoHighLevel meters AI usage on top of the plan, and Kajabi's Basic plan has 0 AI credits. In Coachful, questions and planning with Michelle are included in the membership while confirmed builds and changes use AI credits. Ask every vendor the same question: what does a normal week of AI use cost me?

Caps that push you up a tier

Simply.Coach caps coachees, contracts and programs below Leap; CoachVantage Clarity caps e-signatures at 4 a month and booking pages at 2; Kajabi Basic caps products at 5. Map your next 12 months of client numbers against these before you commit.

Payment fees and refunds

Kajabi adds a 0.5% to 2% fee when you use a processor other than Kajabi Payments or PayPal. Simply.Coach gives no refunds for mid-period cancellations and does not state transaction fees.

Getting your data out

Before you start, ask how you leave. Coachful exports full client data as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses) plus course exports, and imports clients, programs and content for you during onboarding. If you expect a client company to want Salesforce or HubSpot sync, note that Coachful does not offer it, while Fathom lists both.

What is the verdict on AI tools for sales coaches?

For a sales coach who runs programs and sells their own offers, Coachful is the strongest pick, because its AI reads the check-ins, goals and session notes that show whether a rep is doing the work, and the same login handles booking, agreements, payments and funnels. Add Fathom if you need BANT or Sandler summaries of recorded calls, or Claude if you want a role-play partner; both sit alongside a platform rather than replacing it. Choose GoHighLevel for an SMS-heavy lead operation, Kajabi for a course-first training business, CoachVantage for a solo session practice and Simply.Coach for sponsor-heavy corporate work. For portal and team angles, see our guides to white-label client portals for sales coaches and software for B2B sales enablement coaches.

Frequently asked questions

What is the best AI tool for sales coaches?

For coaches who deliver programs, Coachful, because its assistant works from live client data and the platform covers booking, payments, agreements, programs and funnels. If you only need call summaries, Fathom is the specialist; for role-play, a general assistant like Claude works well.

Can AI replace role-play with a human sales coach?

No. AI is useful for repetitions, such as a rep practicing the same budget objection ten times by voice. Judgment about when a rep is avoiding the real problem, and the accountability of a person who will ask about it next week, still comes from you.

Do I need a separate AI notetaker if I use Coachful?

Not for your own sessions, since Michelle summarizes recorded sessions onto the client record. A tool like Fathom makes sense if you want framework templates such as BANT or Sandler, coaching metrics or CRM sync for a client's team.

Is it legal to record my client's sales calls for coaching?

It depends on where the call participants are and on the client's employer policy. US federal law allows one-party consent, some states require all parties, and the GDPR applies in the EU. Check with an attorney and spell out in your agreement what you will review.

What is Coachful's free white-glove service?

It is a free build service on every plan: you describe what you need, such as a website, funnel, sales page, program or email sequence, attach references, and the Coachful team builds it in your account, usually within about 24 hours. It leaves gaps for you rather than inventing testimonials or prices, and it does not include video recording, logo design or ad management.

Does Coachful integrate with Salesforce or HubSpot?

No. Coachful has no Salesforce or HubSpot integration and no multi-stage deal board. Reps report activity through goals, habits and check-ins, and Zapier is available for other connections.

Which AI tool works for coaching a whole sales team?

Coachful's team plans add coach seats, cohort groups are created on enrollment, and agreements and manual invoices handle sponsor billing. Simply.Coach's business tiers name sponsors and program managers, and Fathom's Team and Business plans are priced per user with a 2-user minimum.

Can AI help me track ICF hours while I coach sales clients?

Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours. Michelle can also give optional private feedback on your coaching against ICF Core Competencies 3 to 8.

Is there a free option?

Fathom and Claude both list free plans, and Coachful offers a free trial. Free notetakers and chatbots cover one task each, so most sales coaches still need a platform for booking, payments and delivery.
