Best CRM for Holistic Health Coaches: 5 Options Ranked

Best CRM for Holistic Health Coaches: 5 Options Ranked

The best CRM for holistic health coaches is the one that holds the whole client in one place: the intake answers about sleep, digestion, stress and movement, the sessions and notes, the habits they are building between calls, the agreement they signed and every payment. A holistic practice is not a sales pipeline. Most of the value happens in the weeks between calls, so a CRM that stops at "lead converted, invoice paid" leaves you running the real work out of spreadsheets, texts and a separate habit app.

Our pick is Coachful, because it covers the full journey (lead capture, intake, booking, agreements, payments, multi-week programs with habits and check-ins, and a branded client app) under one login. We make Coachful, so weigh that, and read the "Pick it over Coachful if..." line at the end of every other entry. Below we rank five options by how well they serve a holistic health coach at each stage: attract, enroll, deliver and retain. If you want the broader picture first, our parent guide to the best CRM for coaches covers the category for every niche.

What does a holistic health coach need from a CRM at each stage?

You need a CRM that follows the client from first contact through months of habit change, not one that stops at the sale. Here is what each stage of a typical holistic practice asks of the software.

Attract: turning curiosity into a named lead

Holistic coaches usually attract clients with something useful and low-commitment: a five-day gut reset email series, a sleep-routine checklist, a free 20-minute discovery call, a workshop on stress and blood sugar habits. The CRM needs to capture who downloaded what, tag them by interest (energy, digestion, hormones, sleep), and send follow-up email that respects consent. Commercial email in the US falls under the CAN-SPAM Act, which requires a working opt-out honored within 10 business days and a valid postal address in every message, according to the FTC's compliance guide. Your lead tool should handle that by default.

Enroll: intake, scope and agreement before the first session

Enrollment in this niche is heavier than in most coaching. You want an intake that asks about current routines, food patterns, sleep, stress, movement and goals, plus a screen for anything that needs a medical professional first. Then comes the coaching agreement, which should state plainly that coaching is not diagnosis, treatment or a replacement for medical care, and that you will refer out when something is beyond scope. A good CRM sends the intake with the booking, gets the agreement signed before the first call, and stores both on the client record. Our guide to intake form software for holistic health coaches goes deeper on question design.

Deliver: protocols that live between sessions

A holistic program is usually 8 to 16 weeks of small, stacked changes: hydration and a morning routine in week one, a protein-forward breakfast in week two, an evening wind-down in week four. The client needs to see this week's focus, tick off daily habits and send a short check-in. You need to see who is keeping up and who has gone quiet. Sales CRMs have nothing for this stage, which is why so many coaches end up paying for a second platform.

Retain: noticing drift and offering the next step

Retention comes from noticing early when someone stops checking in, celebrating streaks, and offering a sensible next step at the end of a program: a maintenance membership, a group circle or a lighter monthly check-in package. The CRM should show client status at a glance and make renewals and subscriptions easy to bill.

The scope line. Holistic health coaching supports behavior change; it does not diagnose, treat or prescribe. Refer clients to a doctor or licensed professional for new or worsening symptoms, suspected eating disorders, medication questions, pregnancy-related concerns, or anything clinical. Coachful is not HIPAA-certified, so clinical records belong in a clinical system, and the same caution applies to any CRM in this list that does not offer a signed business associate agreement. The overview of health coaching on Wikipedia is a useful neutral summary of where coaching sits next to clinical care.

Which CRM covers which stage of the client journey?

Only one tool on this list covers all four stages without add-ons; the others are strong in one or two stages and need a second tool for the rest.

Ranked by: one login for the whole client journey, between-session delivery, total stack cost, and setup effort (including Coachful's free white-glove build).

How did we choose these five?

We started from tools holistic coaches actually shortlist when they search for a CRM: client-management CRMs built for service businesses (HoneyBook, Dubsado), a practice-management platform built for wellness practitioners (Practice Better), a general sales CRM with a free tier (HubSpot), and an all-in-one coaching platform (Coachful). We compared what each vendor documents on its own pricing and feature pages, plus public review counts where available. We did not run hands-on trials for this article, so treat feature notes as "what the vendor documents" and check anything critical during your own trial.

Each tool was scored against the four stages above, with extra weight on the deliver stage, because that is where holistic coaches spend most of their working week. We also looked at what the client sees: a branded app or portal with this week's focus beats an inbox full of PDFs. Keap was considered and left out of the top five: as listed in October 2026 it starts at $299 a month with a required $500 implementation package, and it has no client portal, programs or check-ins, which is a lot to pay for a sales-automation tool in a practice of one.

1. Coachful: the CRM that also runs the program

Coachful's client dashboard, with demo clients, task completion and check-in rates, on a laptop beside dried chamomile and recipe cards.

Coachful is a coaching platform where the CRM is the center of the practice rather than a separate box. Every client record holds their goals, check-ins, habits, session notes, intake answers, tags, payments and sessions, plus an AI briefing before you meet them. Clients carry a status of thriving, active, quiet or at risk, so the person who stopped logging their evening wind-down shows up before they quietly cancel. One subscription covers booking, payments, agreements, program delivery, courses, a community, a website with funnels and email, and an AI assistant. You get one login; your client gets one branded app.

How it handles attract and enroll

Leads arrive through Coachful's own website, funnels and lead magnets, so a "7-day sleep reset" download or a discovery-call booking lands in Prospects with its source attached. From there, email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits handle nurture. The social planner helps draft post ideas and captions and schedules them to Instagram, Facebook, LinkedIn, X, Threads and YouTube from one calendar.

Booking pages support availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook sync. You can add intake questions to the booking itself, so the discovery call arrives with answers about current routines and goals. Video runs on built-in rooms or auto-created Zoom, Meet or Teams links, and reminders go out by email, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled. The Intakes view tracks how many discovery calls are coming up and how many converted.

Once someone says yes, the coaching agreement with e-signature goes out before the first call and is stored on the client record, which is exactly where your scope-of-practice clause should live. Payments run through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, coupons, refunds, Apple Pay and Google Pay. Coachful takes a 0% platform fee; only Stripe or Razorpay processing applies. See our page on coaching contracts for how agreements fit into onboarding.

Delivery between sessions, where the other CRMs stop

This is the stage that sets Coachful apart for holistic work. You build multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. A 12-week reset can open with hydration and a morning routine, add a protein-forward breakfast, then layer in an evening wind-down, with each week's focus appearing in the client's app on schedule. Courses with drip and completion tracking hold your recipe guides and short lessons, and enrolling in a program creates a cohort group automatically, so group programs get a community without extra setup.

Clients see their own coaching home: the next session, this week's program, progress, habits and documents, all under your branding inside the Coachful app. For coaches who also give movement or nutrition guidance, the Fitness & Nutrition pack adds meal plans, recipes, nutrition targets up to calories and macros, food lookup with barcode scanning, private progress photos and measurements, and weekly check-ins. Here is a short walkthrough of the client area from the coach's side:

Retention and the AI assistant

Michelle, the built-in AI assistant, works from your live practice data. She can brief you before a session (for example, flagging that a client's check-ins dropped after week three), summarize recorded sessions, draft the follow-up email and help build a maintenance program. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. If you hold or are working toward an ICF credential, Coachful also counts coaching hours and distinct clients against ACC, PCC and MCC thresholds.

Limits worth knowing

Coachful is not HIPAA-certified and does not sign a BAA, so it is not the place for clinical records, lab results interpreted as treatment, or insurance billing. There is no PayPal, no permanent free plan, and no sync with Garmin, Fitbit, Whoop or Oura; Apple Health sync is not publicly available. The client app runs under the Coachful listing with your branding, not under your own App Store account. There is no multi-stage deal board for large sales teams and no HubSpot or Salesforce integration.

Why Coachful stands out: a free white-glove service. On every plan, you can open Create > We'll build it for you, describe what you need, attach up to 8 reference links and up to 10 files (logo, photos, brand guide, existing copy), and the Coachful team builds it inside your own account, usually within about 24 hours. For a holistic coach that could be a calm website with a discovery-call button, a lead-magnet funnel for a sleep guide, a 12-week program outline, or an email sequence for new subscribers. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. One recent example: a menopause and midlife health coach starting from nothing received a five-page site in sage and cream, with every button leading to a free 20-minute consultation. The service does not cover recording videos, logo design, ad management or ongoing marketing. Read more about the free white-glove service.

2. HoneyBook: polished client admin, no program delivery

HoneyBook homepage presenting proposals, contracts and invoices for service businesses
HoneyBook's homepage in October 2026.

HoneyBook is a client-management CRM for service businesses: lead forms, proposals, contracts, invoices, a scheduler and a client portal. For a holistic coach, its strength is the enroll stage. After a discovery call you can send a proposal, contract and invoice from the same system, which keeps enrollment paperwork in one place.

Where it fits a holistic practice

If most of your revenue comes from fixed packages (for example a three-month one-to-one program paid in instalments), HoneyBook keeps the paperwork tidy. Lead forms capture inquiries, the scheduler books calls, and invoices collect payment. The client portal shows files and payments, which is enough for clients who mostly want to know what they owe and when the next call is.

Pricing as listed in October 2026

  • Starter: $29/month billed annually (the monthly figure was not shown on the page we captured). Unlimited clients and projects, 2 live lead forms.
  • Essentials: $59/month, or $49/month billed annually. Up to 2 team members, 10 lead forms.
  • Premium: $129/month, or $109/month billed annually. Unlimited team members and lead forms.

There is a 30-day free trial with no credit card required, according to the pricing page FAQ. HoneyBook is the payment processor, so you cannot bring your own Stripe account. Card fees were listed inconsistently on the page (2.7% + 10¢ in the FAQ, 2.9% + 25¢ in the plan comparison), with ACH at 1.5%. HoneyBook's prices rose in February 2025, so check the page on the day you buy. Trustpilot showed 4.1 from 748 reviews when we looked in October 2026.

The gap for holistic coaches

The scheduler and automations are not on Starter, so in practice most coaches need Essentials. More importantly, HoneyBook has no programs, courses, habits, check-ins or community. Your weekly protocol, habit tracking and between-session support would need a second platform, and your client would juggle two logins. It also offers nothing to show you which clients are slipping on their routines.

Pick it over Coachful if... you run short, package-based engagements where nearly all the work happens live on calls, you want proposal-style onboarding, and you are happy handling delivery in another tool or not at all.

3. Dubsado: workflow automation for the paperwork-heavy coach

Dubsado homepage presenting client workflows, forms and contracts
Dubsado's homepage in October 2026.

Dubsado is a client workflow CRM: forms, contracts, invoices, a scheduler and automated workflows that fire the next step when the previous one completes. Coaches who like building systems tend to love it, because you can chain inquiry form, discovery call, proposal, agreement, invoice and welcome questionnaire into one automated sequence.

The holistic coach's use case

Dubsado's forms can carry a detailed wellness questionnaire: daily routine, food patterns, sleep, stress, movement and goals. The workflow can send that questionnaire automatically after payment and remind the client if it is not done before the first session. For coaches who want enrollment to run without manual chasing, that is valuable.

Plans and trial

As listed in October 2026, Starter costs $35/month ($27.92/month billed annually) with unlimited clients and projects and one active lead-capture form. Premier costs $55/month ($43.75/month billed annually) with unlimited lead forms. Starter has no scheduler or automations, so the workflow features above need Premier. The free trial runs 21 days with full Premier access and no credit card. Dubsado states no platform fee; your processor's rates apply, and optional surcharging can pass card costs to the client.

What it leaves out

Dubsado says it does not include website building and is not an email marketing platform, so your lead magnet, website and nurture sequence live elsewhere. It has no courses, client community, habits or check-ins. The mobile app is a companion; full functionality needs the desktop web app. For a practice whose value lives in weekly habit change, Dubsado handles the front door well and leaves the house empty.

Pick it over Coachful if... you already have a website, email tool and delivery platform you like, and you want the most configurable automation for forms, contracts and invoices on top of them.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

4. Practice Better: clinical-style records for wellness practitioners

Practice Better homepage presenting practice management for wellness practitioners
Practice Better's homepage in October 2026.

Practice Better is practice-management software built for wellness and nutrition practitioners: scheduling, telehealth, charting, billing, programs and a client portal. Among the tools here, it is the closest to how a nutrition professional runs a practice, which makes it a direct substitute for Coachful rather than an add-on.

Strengths for this niche

The charting tools suit coaches who keep structured session notes and want a practitioner-style record. Programs give clients a structured path, and telehealth keeps calls inside the platform. The free Sprout plan lets a brand-new coach start with three clients before paying anything, which is useful while you finish a certification (see our guide to holistic health coach certification).

Practice Better pricing page with its plan tiers
Practice Better's pricing page in October 2026.

What each tier costs (October 2026)

  • Sprout: $0, 3 clients, 1 practitioner, 100 MB storage.
  • Starter: $35/month ($25 billed annually), 10 clients.
  • Professional: $69/month ($59 billed annually), 300 clients.
  • Plus: $99/month ($89 billed annually), unlimited clients, 3 admins.
  • Team: $155/month ($145 billed annually), 2 practitioners, up to 200 at $50 each.

Trials run 30 days on Team and 14 days on other paid plans. Payments run through Practice Better Payments, powered by Stripe; the rates were not listed. Trustpilot showed 3.8 from 87 reviews in October 2026.

Trade-offs to plan around

Several features holistic coaches care about start only on Plus: evergreen programs, portal branding, a custom URL and SMS. The older profile we hold notes no website builder or funnel pages, so the attract stage needs another tool. Below Team, each account has one practitioner. Compared with Coachful, you get stronger clinical-style charting but less on marketing, community and daily habit check-ins. Our list of Practice Better alternatives for holistic health coaches compares it with other options.

Pick it over Coachful if... you also hold a credential that involves clinical-style documentation, you want charting as the center of your records, and you already have a website and email tool handling marketing.

5. HubSpot: a free sales CRM for lead tracking only

HubSpot homepage presenting its CRM and marketing tools
HubSpot's homepage in October 2026.

HubSpot is a general-purpose CRM and marketing suite. Its free tier covers contacts, deals, tasks, email tracking, forms and landing pages, which is why many new coaches try it first. For a holistic practice, it is useful in exactly one stage: attracting and tracking leads.

What the free tier does for you

As listed in October 2026, Free tools covers up to 2 users and 1,000 contacts, 2,000 email sends a month with HubSpot branding, one personal meetings link with HubSpot branding, up to 30 landing pages with branding, and one automated email action, with no time limit and no credit card. That is enough to capture sign-ups for a free gut-health guide and see who opened your follow-up.

What paid tiers add, and what it costs to grow

Starter is $20 per seat per month at standard price, shown with a limited-time promo of $10/month ($7/month billed annually) for new customers. It removes branding, adds 1,000 meetings links and simple workflows. Professional is $100 per seat per month ($90 billed annually) with a required onboarding fee not shown on the page. HubSpot Payments charges 2.9% for cards, with a HubSpot platform fee that is free for one year and then 0.5% per transaction; using Stripe inside HubSpot adds a 0.75% platform fee on top of Stripe's own rate. Trustpilot showed 1.5 from 1,176 reviews in October 2026.

Why it ranks last here

HubSpot is built around contacts, deals and pipelines for sales teams. Its pricing pages describe no client program area, habit tracking, check-ins or client app, so everything after the sale happens somewhere else. You would also be paying processing and platform fees on top of whichever delivery tool you choose.

Pick it over Coachful if... you only need a free contact list and email follow-up for now, you deliver everything live, and you are comfortable moving to a coaching platform once clients need something between calls.

How do the five compare feature by feature?

The difference shows up most in the delivery columns: only Coachful documents habits, check-ins, courses and community in the same product as the CRM.

What does each stack cost at 5, 15 and 40 clients?

An all-in-one platform usually costs less than an assembled stack once you count the delivery, website and email tools the CRM-only options need. The table shows the CRM itself; the stack recipes below add the rest.

Vendor prices are monthly billing as listed in October 2026, before processing fees.

Stack recipe A: all-in-one

Coachful alone covers lead capture, intake, booking, agreements, payments, programs with habits and check-ins, courses, community, website and email. One bill, one login, one place where the client record lives. Add your Stripe or Razorpay processing and nothing else.

Stack recipe B: practitioner core plus free lead tool

Practice Better Professional ($69/month) for records, scheduling and programs, plus HubSpot Free ($0) for lead capture and email. That is $69/month before a website builder, whose cost we have not verified for this article. Client data lives in two systems, and new leads must be moved by hand or with an automation tool when they enroll.

Stack recipe C: admin CRM plus a delivery platform

HoneyBook Essentials ($59/month) or Dubsado Premier ($55/month) for enrollment paperwork, plus a separate course or community platform for the weekly protocol, plus a website builder and email tool. The CRM alone is $55 to $59 a month; the other three add their own fees, and your client logs into at least two places. Our guide to software for holistic health coaches compares delivery tools if you go this way.

How does a holistic health coach set this up in Coachful, step by step?

Here is an example setup for a fictional coach launching a 12-week "Rebalance" program on sleep, digestion-friendly eating habits, stress and movement. The program is an illustration, not a template you must copy.

Coachful's session calendar on a laptop and a client habit tracker on a tablet in a wellness studio
Coachful's session calendar on a laptop and the client habit tracker on a tablet, both with demo data, next to a water carafe and a fern.
  1. Request the build. From Create > We'll build it for you, describe a calm wellness website with a free discovery-call button and a lead magnet such as a sleep-routine checklist. Attach your logo, photos and any existing copy.
  2. Set up the discovery call. Create a 20-minute booking page with buffers, minimum notice and three intake questions: what they want to change, current daily routine, and any conditions they are working on with a doctor.
  3. Write the agreement. Add a coaching agreement with your scope-of-practice clause and referral policy, sent for e-signature before the first paid session.
  4. Create the offer. Price the 12-week program with a payment plan through your Stripe account. Add a coupon for workshop attendees if you run one.
  5. Build the program. Ask Michelle to draft 12 weekly themes, then edit them. Attach daily habits (water on waking, a 10-minute walk after lunch, screens off by 10 pm) and a short morning and evening check-in.
  6. Add learning content. Upload recipe guides and short video lessons as a course with weekly drip, so content opens as each theme starts.
  7. Turn on the group. Enrolling clients into the program creates the cohort group automatically, ready for weekly Q&A posts.
  8. Watch status weekly. Review who is thriving, quiet or at risk on the client dashboard, and use Michelle's pre-session briefing to open each call with what actually happened that week.
  9. Plan the next step. In week 10, send a sequence offering a monthly maintenance subscription, so the transition is ready before the program ends.

How do you migrate to a new CRM without losing clients?

Move the active clients first, keep the old tool read-only for one billing cycle, and tell clients exactly where to log in. A few practical tips:

  • Export everything before you cancel. Pull contacts, intake answers, signed agreements and invoices as CSV or PDF. Agreements are the documents people forget and later need.
  • Clean tags on the way in. Map old labels to a short set you will actually use: interest (sleep, digestion, stress, hormones), stage (lead, active, alumni) and source.
  • Do not migrate dead leads. Contacts who never opened an email in a year add list cost and can hurt deliverability. Re-permission them or leave them behind.
  • Move payment subscriptions carefully. Recurring billing tied to the old tool's processor (HoneyBook processes payments itself) usually cannot be transferred; set a switch date and send clients a new payment link.
  • Time the switch to a program boundary. Start new cohorts on the new platform and let existing ones finish where they are, so nobody's week-six habits disappear mid-program.

In Coachful, clients, programs and content are imported for you during onboarding, and you can export the full client data as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses) whenever you want, so you are never locked in.

What mistakes do holistic coaches make when choosing a CRM?

  • Buying a sales CRM for a delivery problem. Pipelines and deal stages are built for teams closing deals. Your bottleneck is usually keeping clients consistent in week five, which a pipeline does not touch.
  • Storing clinical information in a coaching tool. Lab results, diagnoses and medication details belong with the client's doctor or in a clinical system. Keep coaching notes about habits and goals, and refer out when something is clinical.
  • Ignoring what the client sees. If your client has to find this week's plan in an email from three weeks ago, adherence drops. Test the client view during any trial.
  • Counting only the CRM fee. A cheap CRM plus a course tool, a community app, a website builder and an email platform often costs more than one platform, and takes more of your evenings to maintain.
  • Skipping the agreement. A signed agreement with a clear scope line protects you and sets expectations. Make it part of enrollment, not an afterthought.
  • Over-building before the first client. Start with one discovery-call page, one program and one follow-up sequence. Add the rest once real clients show you what they need.

What is the verdict?

For most holistic health coaches, Coachful is the best CRM because it does not stop at the sale: the same record that captured the lead also holds the intake, the signed agreement, the payments, and the daily habits and check-ins that make a holistic program work. HoneyBook and Dubsado are good choices if you only want tidy enrollment paperwork and already have delivery covered. Practice Better suits coaches who want practitioner-style charting at the center. HubSpot's free tier is fine as a temporary lead list, not as a practice system.

In short: Coachful is a coaching platform for coaches who deliver programs, not just sessions, and for solo coaches replacing four to six tools. It does not handle clinical records (it is not HIPAA-certified), PayPal or wearable sync. To start, take a free trial and request the free white-glove build so your website, first funnel or program is ready to edit. Frequently asked questions

What is the best CRM for holistic health coaches?

Coachful ranks first in our list because it combines the CRM with program delivery: habits, check-ins, courses, community and a branded client app. HoneyBook and Dubsado handle enrollment paperwork well but have no delivery features. Practice Better is the closest practitioner-focused alternative.

Do I need a HIPAA-compliant CRM as a holistic health coach?

That depends on whether you work with protected health information on behalf of a covered entity, which varies by country and arrangement, so check with an attorney if you are unsure. Many coaches keep coaching notes about habits and goals and leave clinical records with the client's doctor. Coachful is not HIPAA-certified, so it should not hold clinical records.

Can I use HubSpot's free CRM for my coaching practice?

You can use it to collect leads and send follow-up email, within its limits of 2 users and 1,000 contacts with HubSpot branding. It does not deliver coaching programs, habits or check-ins, so you would need another platform once clients sign up.

Is HoneyBook or Dubsado better for holistic coaches?

HoneyBook suits coaches who want polished proposals and don't mind HoneyBook processing payments. Dubsado suits coaches who want deeper workflow automation and an unlimited number of forms on Premier. Neither includes programs, habits or a client community.

How should a CRM handle intake forms for holistic clients?

Intake should be sent with the booking or right after enrollment and saved to the client record. Ask about routines, sleep, stress, food patterns, movement and goals, plus a screening question about conditions being managed by a doctor. In Coachful, intake questions can sit on the booking page and the answers appear on the client record.

Is Coachful's white-glove build service really free?

Yes, it is free on every plan. You describe what you want (a website, funnel, program, email sequence and more), attach up to 8 links and 10 files, and the team builds it in your account, usually within about 24 hours. It does not include video recording, logo design, ads or ongoing marketing.

Can clients track habits in a CRM?

Most CRMs cannot; they track you, not the client's routine. Coachful lets clients log habits and morning and evening check-ins in their branded app, and you see streaks and completion on their record.

What does Coachful cost for a small holistic practice?

Plans are flat monthly, with lower plans capping the number of clients and Pro unlimited. For a five-client practice: Lite: $29/month for up to 5 clients. Payment processing is charged by Stripe or Razorpay, with no platform fee on top.

Can I move my existing clients into Coachful?

Yes. Clients, programs and content are imported for you during onboarding, and you can export everything as a ZIP at any time. Plan the switch at a program boundary so active clients are not interrupted.
