Best Software for Career Coaches in 2026: 7 Compared

Best Software for Career Coaches in 2026: 7 Compared

The deciding question for software for career coaches is where your client's job search lives between sessions. If it lives in a spreadsheet they forget to update, in their inbox, or in their head, you spend the first twenty minutes of every call reconstructing the week: which applications went out, who replied, which interview is Thursday and whether anyone followed up with the recruiter.

Most career coaching software was built for life or business coaches and treats a job search like any other goal. We ranked seven tools on the work career coaches actually do: CV reviews, mock interviews, networking follow-ups, LinkedIn content and packages that an employer sometimes pays for. Coachful ranks first because it adds a Career Coaching power-up with a shared tracker for connections, applications, interviews, LinkedIn posts and CVs, beside the booking, agreements and payments.

Coachful's team will also build your career coaching website, funnel or first program inside your account, for free, usually within about 24 hours. That is covered properly in the Coachful section.

Career coaching, mapped to software

Career coaching has more moving parts than most niches, and many of them happen outside the session. Here is the work, and the tool most coaches end up using for it today.

Part of the workWhat it involvesWhat coaches usually use
CV reviewA master CV, then tailored versions per application, with comments on specific sectionsWord or Google Docs, Canva for design
Mock interviewsShort, urgent sessions booked days before a real interview, then feedbackCalendly plus Zoom
Job-search trackerEvery application with its stage, contacts and next stepA spreadsheet or a Notion template
NetworkingPeople to contact, introductions, follow-ups that should not go coldMemory, LinkedIn messages, the same spreadsheet
LinkedIn workContent pillars, drafts, a posting rhythm, profile growthNotes apps and screenshots
PackagesA CV review, an interview prep pack, a 90-day search program, sometimes paid by an employerA coaching platform or invoices
CohortsGroup job-search programs with weekly callsZoom plus a chat group

The tracker row is the one that decides how good your coaching feels. A coach who can see the whole search walks into a session and asks the right question. A coach who cannot asks "so, how did the week go?"

How we chose the best software for career coaches

Our criteria, in order: a job-search tracker you and the client share, scheduling for the short and urgent sessions career coaching creates, CV and LinkedIn work in the same place as the coaching, and selling packages, including employer-paid ones.

We ranked strictly in that order, so a tool that shines at a later criterion cannot jump one that covers an earlier criterion well. Competitor prices and ratings come from our competitor registry and are given as listed in October 2026. Where we could not confirm a feature, we say so.

1. Coachful: the best software for career coaches

Coachful is a coaching platform, and its Career Coaching power-up is built around one idea: each client's job search gets one private tracker that you can both open and edit. It installs from Power-ups inside your account, or for you if you choose career coaching during setup. Your client gets a Career page in their menu with Home, Connections, Applications, Growth, Content and CV, plus a next-actions card on their home screen.

The tracker

  • Applications and interviews. Each application holds the job title, company, job ad, salary, hiring manager and recruiter, and moves through 11 stages from preparing to offer accepted, plus on hold, unsuccessful and withdrawn, with the stage history kept. Interviews carry the date, format, interviewers, the prep notes you agree together, the outcome and the feedback. The client is reminded the day before each interview by push, in the app and by email.
  • Networking connections. Name, company, job title, LinkedIn, email, phone and how you met, moving from identified to contacted, introduced, meeting booked, met and relationship active. Each contact can carry one open follow-up with a reminder and an A, B or C priority. An introduction with no meeting logged after three days turns into a follow-up on its own, so a warm lead does not go cold.
  • A coach overview. What is due across every client, on one screen, before your Monday calls.

One detail career coaches tend to love: what you log on a client's record, such as an interaction, a booked interview or a follow-up you set, is read-only to them. They can complete your follow-up, but they cannot rewrite what you recorded. Everything they add themselves stays theirs to edit.

CVs and LinkedIn

The CV builder has 11 structured sections and an achievement builder that asks for the situation, the action, the result and a metric, which is the conversation you were going to have anyway. Comments anchor to any section. Keep one master CV and duplicate it into tailored copies linked to the application each was made for. A client can upload an existing PDF or Word CV to fill the sections, and every CV exports to PDF or Word.

The LinkedIn content plan files posts under three to five content pillars and moves each one from idea to published, with comments on the draft and a 9:00 reminder on the planned day. Growth is a weekly check-in where the client types in followers, profile views and post impressions. Coachful does not connect to LinkedIn, so nothing is read from their account, which also means nothing is posted on their behalf.

The business around it

Mock interviews and strategy sessions book from your availability, in the client's time zone, with two-way Google, Apple and Outlook calendar sync, built-in video or Zoom, Meet and Teams links, and email, SMS and WhatsApp reminders. Sell an interview prep pack as session credits, a 90-day search program with a payment plan, or a single CV review, through your own Stripe or Razorpay account with a 0% platform fee, and send the coaching agreement for e-signature before the first call. Program templates such as Land the Job, The Career Pivot Roadmap and Promotion Ready give you a week-by-week starting point. See Coachful for career coaches for every module.

Why Coachful stands out: a free white-glove service. On every Coachful plan, our team builds the pieces career coaches rarely have time for: a website, a lead-magnet funnel, a program, a worksheet or a follow-up email sequence. You fill in a short form inside your account (for a website it asks which pages you want, what they should do and what visitors should do next), add up to eight reference links and ten files such as your logo, photos or an old sales page, and the team builds it in your own account, usually within about 24 hours. The sample request below is typical of career coaches: rebuild a Squarespace site as a homepage, an About page, a CV review service page, an interview prep package and a contact page, where visitors pay online and then book their first session. You can edit all of it afterwards. Here is what the free build includes.

Where Coachful falls short

  • No LinkedIn connection. Growth numbers are typed in weekly, by design.
  • No job board or applicant tracking for employers. It tracks your client's search, not a company's hiring.
  • Entry plans cap clients, and the app sits inside Coachful's App Store listing with your branding, not under your own name.

Choose Coachful when you want the job search, the CV and the sessions in one place your client actually opens.

2. Notion: the do-it-yourself job-search tracker

Notion is a workspace of pages and databases, and plenty of career coaches hand clients a Notion job-search template: a table of applications with stages, a contacts database, a page per interview with prep notes.

What stands out: it bends to any method. You can build exactly the stages you teach, link contacts to applications and share the whole thing with a client in a minute.

Where it falls short for career coaches: nothing reminds anyone. A follow-up date in a Notion table does not message your client the morning it is due, and there is no booking, payment or agreement, so you still need a scheduler and a way to get paid. You also maintain a separate workspace per client, and the client has to keep it updated for it to be worth opening.

Pick it over Coachful if you love designing systems, coach a handful of people and already have booking and billing elsewhere.

3. Calendly: the fastest way to book a mock interview

Career coaching creates a lot of short, urgent sessions. A client gets an interview invitation on Monday for Thursday, and they need a mock interview on Wednesday. Calendly makes that a link and a tap.

What stands out: unlimited event types from the Standard plan at $10 per seat, a free plan with one event type, SMS reminders through workflows on paid plans, and round-robin and routing on Teams at $16 per seat if you run a team, all as listed in October 2026. It is rated 4.7 on G2 from 2,556 reviews.

Where it falls short: it ends at the booking. There is no client record, no tracker and no place for the CV.

Pick it over Coachful if you only need fast booking for one-off sessions. Our comparison of the best scheduling software for career coaches goes deeper.

4. Simply.Coach: best for employer-sponsored engagements

Simply.Coach is a coaching platform with strong features for coaching that someone else pays for: sponsor and HR partner roles, stakeholder reports, 360 assessments and development plans, plus native iOS and Android apps.

Simply.Coach homepage headline reading more clients, less admin, more impact

What stands out: business plans priced per active coach, scheduled stakeholder reports, and SOC 2, HIPAA and GDPR claims that help with a company's vendor review. Solo plans start at $9 a month for 3 clients, and Growth is $49 for 30, as listed in October 2026. G2 rates it 4.8 from 146 reviews.

Where it falls short for career coaches: there is no job-search tracker, CV builder or LinkedIn planner, so the search itself still lives elsewhere. Reviewers mention a steep setup, and solo tiers cap clients and contracts.

Pick it over Coachful if most of your work is outplacement or sponsored coaching where the employer wants formal reports.

5. CoachVantage: tidy admin for the credential-minded

CoachVantage covers coaching programs, scheduling, payments, contracts, online courses and ICF-format coaching logs, at a low price with unlimited clients.

What stands out: the Clarity plan is $39 a month with unlimited contacts and engagements, and Aha! at $59 removes most caps, as listed in October 2026. There is a 14-day trial with no card, an AI writing assistant called Vanta and 4.8 on Capterra from 26 reviews.

Where it falls short: Clarity caps you at 2 booking pages and 4 e-signatures a month, there is no mobile app and no team support, and nothing is built for job searches.

Pick it over Coachful if you want contracts, invoicing and an ICF coaching log for the lowest monthly cost and you track the search in a spreadsheet.

6. Paperbell: the simplest way to sell a CV review

Paperbell sells coaching packages in one clean checkout: the client picks a package, signs, pays, answers your intake and books. For a career coach selling fixed packages, such as a CV review or three mock interviews, that is a fast way to get paid.

What stands out: free with one client, then $57 a month with unlimited clients and no platform fee, as listed in October 2026, plus a simple website.

Where it falls short: once the package is sold, there is nowhere to track the search, no app and one coach per account.

Pick it over Coachful if you sell short, fixed packages and the work happens entirely in the session.

7. Canva: for the CV that has to look the part

Canva is a design tool with templates for CVs, LinkedIn banners, presentations and social posts. Career coaches use it to give clients a polished CV layout or a banner that matches their new positioning.

What stands out: speed and taste. A client can have a clean, well-designed CV in an afternoon.

Where it falls short: it is a design tool. Many applicant tracking systems read plain, structured CVs more reliably than heavily designed ones, so keep the designed version for humans and a plain one for portals.

Pick it over Coachful only for the visual layer. Write and review the content in a structured CV builder, then design it if you need to.

If an employer is paying: what changes

Outplacement and sponsored career coaching add a third party to the relationship, and the software questions change with it.

  • Who gets the invoice. Make sure you can raise an invoice to a company rather than charging the client's card. Coachful lets you raise manual invoices from your product catalogue.
  • What the sponsor sees. Decide in writing what the employer gets (attendance, milestones) and what stays private (the applications, the salary conversations). A tracker the client owns makes that boundary easier to keep.
  • How you report. If the sponsor expects formal reports, Simply.Coach is built for that.

Our guides to setting up company-funded coaching billing and pitching an employer-paid pilot cover the paperwork.

Moving a client's job-search spreadsheet into Coachful

  1. Export the contacts tab as a CSV. Up to 300 rows come in per import.
  2. Map the columns. Only the name is required; company, job title, email, phone, LinkedIn and notes map if they exist.
  3. Check the five-row preview. Duplicates by name and company are reported rather than added twice.
  4. Upload the current CV. A PDF or Word file fills the CV builder's sections.
  5. Set the next follow-ups together in the session. From then on, the reminders do the chasing.

Going the other way, the connections list exports to Excel with a second sheet for the activity timeline, so a client who finishes with you keeps their network.

Frequently asked questions

What is the best software for career coaches?

Coachful, for most career coaches. Its Career Coaching power-up gives every client a shared tracker for networking connections, job applications and interviews, a LinkedIn content plan and a CV builder with tailored copies, with reminders for follow-ups, interviews and planned posts. Booking, agreements, payments and your website live in the same account.

Can career coaching software track my clients' job applications?

Coachful's can. Each application moves through 11 stages from preparing to offer accepted, plus on hold, unsuccessful and withdrawn, with the history kept, and interviews carry prep notes, outcome and feedback. General coaching platforms such as Simply.Coach and CoachVantage track goals but not applications, so coaches pair them with a spreadsheet or Notion.

Can I plan a client's LinkedIn posts in coaching software?

Yes, in Coachful, with one honest limit. The content plan sorts posts under three to five pillars, moves each from idea to published and reminds the client at 9:00 on the planned day, and a weekly check-in records followers, profile views and impressions. It does not connect to LinkedIn, so the client types those numbers in.

Is there a CV builder made for career coaches?

Coachful's CV builder has 11 structured sections, an achievement builder that asks for situation, action, result and a metric, comments anchored to sections, tailored copies linked to applications, and PDF and Word export. Clients can upload an existing CV to fill it in. Canva is useful for the design layer afterwards.

Can I run group career coaching or a job-search cohort?

Yes. In Coachful, enrolling clients in a group program creates a cohort group with a feed, group chat and group calls, while each member keeps a private Career tracker. Our group career coaching pilot plan walks through a first cohort.

Will Coachful build my career coaching website for free?

Yes. The white-glove build is free on every plan. Fill in the website or funnel form in your account, for example a homepage, CV review and interview prep pages, or a free scorecard that leads to a strategy call, add links and files, and the team builds it in your account, usually within about 24 hours, then emails you. It does not include logo design or ad management.

Is Notion enough for a career coaching business?

For the tracker, it can be, if you and your client keep it updated. What Notion does not do is remind anyone, take payment, book a session or hold an agreement. Most coaches who start in Notion add three more tools within a year. If you are still shaping your offer, start with how to create a career coaching program and these career coaching questions to ask clients.

A good test for any of these: ask a current client to forward you their job-search spreadsheet, rebuild one week of it in the tool, and see whether your next session starts with a better question.
