Coaching Software for Small Teams of 2 to 10 Coaches

Coaching Software for Small Teams of 2 to 10 Coaches

Coaching software for small teams has a narrower job than enterprise software and a harder one than solo tools: it has to let two to ten coaches share one practice without sharing everything. Each coach needs their own calendar, caseload and private notes; the owner needs to see the whole practice; and clients should feel they joined one business, not a loose collection of coaches with their own links.

This guide is the operating manual for that stage: what changes as you add coaches, the seven things to set up before your second coach starts, and seven platforms compared for practices of this size. Coachful ranks first because seats, roles, client assignment, round-robin booking and private notes come in one account with the coaching itself, and its team builds your shared program templates for you at no extra cost. For a broader seat-by-seat and billing comparison, including Kajabi and Circle, read our guide to coaching platforms for teams; this page goes deeper on running a team of 2 to 10.

What changes when a coaching practice becomes a small team

StageWhat breaks firstWhat the software needs to do
2 coaches (first associate)Two calendars, one booking link; who owns which clientPer-coach availability, client assignment, private notes per coach
3 to 5 coachesEnquiries arrive faster than one person can route them; programs drift between coachesRound-robin booking, shared program templates, permissions
6 to 10 coachesThe owner cannot see who is overloaded or whose clients are going quietCaseload views, roles for assistants, reporting across coaches

Most practices change software at the 3-to-5 stage, usually after a double booking or a client who fell between two coaches. Choosing the right tool at two coaches avoids that migration.

Seven things to set up before your second coach starts

  1. Roles. Owner, coach and virtual assistant at minimum. An assistant should manage bookings and billing without reading session notes.
  2. Client assignment. Every client has one named coach. Decide whether coaches can see each other's clients (usually not).
  3. How bookings are distributed. Round-robin for discovery calls, client choice for returning clients, or the owner assigns. Write the rule down.
  4. Notes privacy inside the team. Private notes stay with the coach who wrote them; shared notes go to the client. If a coach leaves, decide in advance who inherits the record.
  5. Shared program templates. One version of each program, copied per client, so clients get the same method from any coach.
  6. Where client email goes. A shared inbox with assignment beats five personal inboxes.
  7. Money. Who invoices, how associates are paid, and whether the split is per session or per client. Our guide to structuring associate coach revenue share covers the options.

The checklist in shared systems before adding a second coach goes through each one in more detail.

How we chose

We pictured a practice with an owner, three associate coaches and a part-time assistant, around 60 clients and one group program, and asked how each tool handles the seven setups above. Facts and prices come from vendors' pages and our October 2026 records. We make Coachful, and each entry says when another tool suits a team better.

1. Coachful: best coaching software for small teams

Coachful's team plans include three or six coach seats in the same account as the coaching itself. The Team page shows each member's role, assigned clients, programs and upcoming sessions, how many clients still need a coach, and the average caseload.

How the seven setups work in Coachful

  • Roles: each member is a coach, who appears as a session host and can be attached to programs, groups and clients, or a virtual assistant, whose access is permission-based and who never appears as the coach. Permissions are set per person.
  • Assignment: a coach can be limited to their assigned clients, so associates see only their own caseload.
  • Booking distribution: multi-coach session types assign to a coach who is free at the chosen time, by round-robin or least busy, or let the client choose. Each coach keeps their own availability and calendar sync.
  • Notes: private notes stay on the coaching side and never reach the client; shared session notes appear in the client's My Coaching hub.
  • Programs: a program template is copied for each one-to-one client, so edits to one client stay with that client, while a cohort shares one copy and gets its own group with chat and calls.
  • Email: client replies arrive in shared mailboxes with permissions and round-robin or fixed assignment, linked to the client.
  • Money: payments go to the practice's own Stripe or Razorpay account with a 0% platform fee, and sponsors can receive invoices for employer-paid clients. Coachful does not split payouts between coaches; you settle associate shares outside the platform.

Why Coachful stands out: a free white-glove service. The slowest part of growing a team is writing things down so every coach delivers the same method. Every Coachful plan includes a build service at no extra cost: from Create > We'll build it for you, send your program outline, worksheets and onboarding emails, and the Coachful team builds them in your account as shared templates, usually within about 24 hours. See the white-glove service guide.

Limitations: seats come on team plans of three or six coaches, so a seven-to-ten coach practice should talk to Coachful about its setup. There is no single sign-on, no Salesforce or HubSpot integration and no automatic revenue split. It is not HIPAA certified. See Coachful for teams.

2. Acuity Scheduling: best for multi-coach booking on a budget

Acuity handles the scheduling half of a team well. Standard at $34 a month covers up to six calendars with packages, memberships and text reminders; Premium at $61 covers 36 calendars, multiple time zones and a HIPAA BAA. Capterra reviewers rate it 4.8 from 5,758 reviews.

Falls short: no programs, notes or client progress, and support is by email only per reviewers. Pick it if your coaches already deliver elsewhere and you only need one booking front door.

3. Dubsado: best for shared admin and onboarding

Dubsado includes three users on every plan and lets a practice automate onboarding with Flows: contract, invoice and questionnaire on triggers. Premier at $55 a month adds the scheduler and unlimited lead forms; users four to ten add $25 a month, and extra brands are $10 each.

Falls short: nothing for program delivery, and setup takes time. Pick it if your team's pain is paperwork rather than coaching.

4. CoachAccountable: best when coach seats should not cost extra

CoachAccountable includes unlimited coach and admin accounts on every tier, with roles, master-coach oversight and engagement reports, and prices by active clients: $120 a month for 20, $200 for 35, $250 for 50. Its accountability tools (actions, metrics, worksheets) are the deepest here.

Falls short: group programs get expensive because every member counts as a client, and there is no native app or website. Pick it if you have many coaches and a modest, stable roster.

5. Simply.Coach: best for teams with corporate sponsors

Simply.Coach's homepage in October 2026.

Simply.Coach's business plans are priced per active coach: CoCreate at $79 a month covers 10 clients per coach with 2 admins and 5 sponsors, and Surge at $159 covers 25 per coach with white-labeling. Sponsor roles, coach matching and stakeholder reports suit executive coaching firms.

Falls short: per-coach pricing adds up quickly, and reviewers report a steep setup. Pick it if sponsors expect formal reports.

6. Delenta: best for teams that want their own app

Delenta's Teams tier adds multi-coach management, an HR dashboard and coach matching to programs, courses and a white-label app. Pricing is by quote with a per-seat licence fee.

Falls short: the team price is not published, so budgeting needs a sales call. Pick it if a branded app under your own name is non-negotiable.

7. Calendly Teams: best for routing discovery calls

Calendly Teams at $16 per seat a month adds round-robin, collective events, lead routing and centrally managed event types. It is the simplest way to share discovery calls across coaches.

Falls short: it is booking only, so contracts, notes and delivery live elsewhere. Pick it beside a delivery tool that lacks team booking.

Onboarding a new coach in one afternoon

  1. Create their seat with the coach role and the right permissions.
  2. Connect their calendar and set their availability, buffers and session types.
  3. Add them to the right round-robin for discovery calls.
  4. Assign their first clients and introduce them by message from inside the platform.
  5. Walk them through one program template as a test client, on their phone.
  6. Agree the notes standard: what goes in private notes, what goes in shared notes, and by when.

Frequently asked questions

What is the best coaching software for small teams?

Coachful is our top pick for teams of 2 to 10 coaches: team plans with three or six coach seats, coach and assistant roles, assignment of clients to coaches, round-robin booking and private notes, all in the same account as programs and the client app. CoachAccountable suits teams with many coaches and few clients.

How should a small coaching team share clients?

Give every client one named coach, limit coaches to their assigned clients, and keep private notes with the coach who wrote them. Use round-robin only for discovery calls. Decide in writing what happens to a client record if a coach leaves.

Can associate coaches see each other's notes?

They should not by default. In Coachful, a coach can be limited to their assigned clients, so other coaches' client records stay out of view, and private notes never reach the client. Shared session notes are visible to the client they belong to.

Does coaching software split payments between coaches?

Most do not. Payments land in the practice's account, and associates are paid from it. Coachful takes a 0% platform fee and does not split payouts automatically; settle revenue shares outside the platform.

Is per-coach or per-client pricing better for a small team?

Per-client pricing, as with CoachAccountable, suits many coaches with few clients each. Per-coach pricing, as with Simply.Coach or Calendly Teams, suits fewer coaches with big caseloads. Coachful's team plans include a set number of seats; compare them with your headcount and roster.

What happens to a client if their coach leaves the team?

Decide before it happens. The client record belongs to the practice, so the owner reassigns the client to another coach, who inherits the session history, goals and shared notes. Agree in your associate contract whether the departing coach's private notes stay with the practice, and tell the client who their new coach is before the next session, not after.

Can Coachful build shared program templates for my team?

Yes, at no extra cost on every plan. Use Create > We'll build it for you, send your outline, worksheets and emails, and the Coachful team builds them in your account, usually within about 24 hours, ready for every coach to use.
