Consultant Invoice Template: Free Template and Guide for 2026

Consultant Invoice Template: Free Template and Guide for 2026

A consultant invoice template is the one document that turns finished work into money in your account. The free consultant invoice template below covers the four ways independent consultants usually bill (a monthly retainer, hourly or daily time, fixed-fee milestones and reimbursable expenses) plus tax, payment terms, a late-fee clause and the purchase order details that corporate accounts payable teams ask for. Copy it, replace the [bracketed] fill-ins, and you have an invoice a finance department will process without a follow-up email.

We make Coachful, a coaching platform that many consultants who also coach or advise use to run their client work. In Coachful, the invoice is sent with each payment, stored on the client record next to the signed agreement and session history, and available to the client in their branded app. You do not need Coachful to use this template; it works in a Word file, a Google Doc or any invoicing tool. The guide also covers the decisions to make before you send your first one, a filled example for a fictional client, and the most common mistakes that delay payment.

The Payments tab in Coachful lists each invoice with its client, type, amount and status (demo data).

What decisions should you make before using a consultant invoice template?

Settle six decisions before you fill in a single line, because each one changes what the invoice says and how fast it gets paid. Most late payments trace back to one of these being left vague in the proposal and then guessed at on the invoice.

DecisionOptionsWhat it changes on the invoiceWatch for

Payment methodsCard, bank transfer, ACH, wire, payment linkThe "How to pay" block and any card surcharge noteCard surcharges are restricted in some places; check local rules

Write the answers into your consulting agreement first. The invoice should only repeat what the client already signed. If you are still drafting that agreement, the retainer agreement template and the business coaching agreement template show how to word fees, cadence and cancellation so the invoice has something to point back to.

What does the free consultant invoice template include?

The template has nine blocks: header, parties, invoice details, the client's purchasing references, line items in four sub-blocks, totals, payment instructions, terms and a short note. Delete the line-item sub-blocks you do not use rather than leaving them at zero.

    • Thank you, [Your name]

The numbering above is for your reference. On the finished invoice, the parties and invoice details usually sit side by side at the top and the line items run as a table with columns for Description, Qty or Hours, Rate and Amount.

Why does each section of the invoice matter?

Each block answers a question that an accounts payable clerk, your client's approver or your accountant will ask. If the invoice answers it, nobody emails you.

SectionWhy it mattersWhat to watch for
Header and tax IDIdentifies the legal seller; many tax authorities require it on a valid invoiceUse the name on your bank account so the client's payment system matches it
Bill to and approverRoutes the invoice to the person who can approve itYour day-to-day contact is often not the approver; ask during onboarding
Invoice numberLets both sides track and reconcile paymentsNumbers should be unique and sequential; never reuse one after a correction
Service periodShows what the fee covers and keeps months from overlappingRetainers billed in advance cover the coming month; time is billed for the past one
PO and SOW referenceLarger companies reject invoices without a PO in their systemA PO has a cap; track how much of it you have used
Retainer blockRestates what the client gets so the fee does not feel abstractList hours used, or clients question the retainer at renewal
Time blockLinks hours to named workstreams the approver recognizesA single line reading "Consulting, 42 hours" is the line most likely to be queried
Milestone blockTies payment to accepted deliverablesRecord who accepted it and when; do not bill on delivery if the contract says acceptance
Expenses blockKeeps pass-through costs separate from fees for tax and approvalAttach receipts and note pre-approval for travel
Totals and taxShows the math and the tax treatment in one placeState why tax is zero if it is; a blank looks like a mistake
How to payRemoves the "how do I pay you?" emailConfirm bank details by phone if a client says they changed; invoice fraud often starts there
Terms and late feeSets expectations and gives you a basis to chaseOnly enforce a fee the client agreed to in advance

What must independent consultants add for tax and local law?

An invoice is a tax record as well as a payment request, so the legally required fields depend on where you and your client are based. The template has slots for the common ones, but check the rules for your country and state, and check with an accountant before you bill across borders.

  • United Kingdom. HMRC's guidance on what an invoice must include lists a unique identification number, your company name and address, the customer's name and address, a clear description of what you are charging for, the date of supply, the date of the invoice, the amount being charged, VAT if applicable and the total. VAT-registered businesses have extra requirements.
  • Late payment in the UK. For business-to-business work, the government explains your right to claim interest and debt recovery costs on late commercial payments. Your contract can set different terms.
  • European Union. The EU's VAT invoicing rules page sets out the information a VAT invoice must contain and how the reverse charge works when you bill a business in another member state.
  • United States. There is no single federal invoice format, but the IRS recordkeeping guidance for small businesses explains that invoices are among the supporting documents you keep to back up income and deductions. Sales tax on consulting services varies by state.
  • Confidential client information. Keep line descriptions specific but not sensitive. "Supplier pricing analysis" is fine; a target's name in a confidential acquisition project is not, because invoices travel through accounts payable inboxes and shared drives.
  • Your contract terms win. If the client's vendor agreement sets Net 60 or forbids late fees, the invoice cannot override it. Negotiate terms in the contract, not on the invoice.

For a general background on what an invoice is and how it differs from a receipt or a statement, the Wikipedia entry on invoices is a reasonable start.

What does a filled consultant invoice look like?

Here is the template completed for a fictional engagement. Every name, number and amount below is an example, not a recommended rate. To set your own price, start from your target annual income, divide by the days you can realistically bill, and test that day rate against what the outcome is worth to the client.

Example only. Fictional consultant and client.

INVOICE
Ridgeway Advisory LLC · 44 Mercer Street, Suite 3, Portland, OR 97209, USA · billing@ridgewayadvisory.example · EIN [on file]

Bill to: Halden Outdoor Goods Inc. · Attention: Priya Nandakumar, VP Operations · ap@halden.example · 1200 Riverside Ave, Boise, ID 83702

Invoice number: RA-2026-014 · Invoice date: 1 November 2026 · Service period: 1 to 31 October 2026 (time and expenses); November 2026 (retainer) · Terms: Net 15 · Due: 16 November 2026

PO: 4500-88213 · SOW: SOW 2, Operations Pricing Review, signed 3 August 2026 · Approver: Priya Nandakumar

A. Retainer. Operations advisory retainer, November 2026, billed in advance · 1 × $4,500 = $4,500. Includes up to 12 advisory hours and two working sessions. October hours used: 14 of 12.
Overage. October, 2 hours × $250 = $500 (log attached).

B. Time. 6 to 17 October · Supplier interviews and synthesis · 18 hours × $250 = $4,500.

C. Milestone. Milestone 2: Pricing model and recommendations deck, accepted by Priya Nandakumar on 28 October · $6,000. Project fee billed to date: $12,000 of $18,000.

D. Expenses (at cost, receipts attached). 21 October · Return flight PDX to BOI, client workshop, pre-approved by email 9 October · $312.40. 21 October · Hotel, one night · $189.00.

Subtotal, fees: $15,500.00 · Subtotal, expenses: $501.40 · Sales tax: Not applicable to these services in the seller's state (example; confirm for your state) · Total due: $16,001.40 USD · Already paid: $0 · Balance due by 16 November 2026: $16,001.40 USD

How to pay: Card or ACH via the payment link on this invoice, or bank transfer to Ridgeway Advisory LLC, reference RA-2026-014.

Terms: Governed by SOW 2 dated 3 August 2026. Balances unpaid 15 days after the due date accrue interest at 1% per month, as set out in section 6. Questions within 10 days to billing@ridgewayadvisory.example.

Note: This covers the October supplier interviews, the 21 October workshop in Boise and the accepted pricing recommendations. Thank you, Dana Ridgeway.

Notice three details. The overage line explains itself with "14 of 12" so the approver does not have to ask. The milestone line names who accepted it, which closes the most common dispute. The tax line gives a reason instead of a blank. The 1% monthly interest is an example of a clause the client agreed to in section 6 of the SOW; it is not a suggested rate, and limits on interest vary by jurisdiction.

How should you send and store a consultant invoice?

You can send the same template five ways. The right one depends on whether you want payment collected from the invoice itself and whether the invoice should live next to the rest of the client's history.

MethodHow the client paysWhere the record livesPrice as listedBest for
CoachfulCard, Apple Pay or Google Pay through your own Stripe Connect or Razorpay account; subscriptions and payment plans for retainersOn the client record with the signed agreement, sessions, notes and goals; invoice per transaction plus manual invoicesLite: $29/month for up to 5 clientsConsultants who also coach or advise over months and want billing, agreements, sessions and programs in one login

A file is fine when you invoice two clients a quarter. Once you have recurring retainers, you need to know which invoices are open without opening a spreadsheet, and the client needs a link that takes payment. That is where a platform earns its place.

What the general-purpose tools document

HoneyBook, Dubsado and Bonsai are client-management tools built for service businesses, and all three include invoicing. HoneyBook describes itself as a CRM with proposals, contracts, invoices, a scheduler and a client portal; payments run through HoneyBook's own processing, and its pricing page lists a 30-day free trial with no card required. Dubsado combines forms, contracts, invoices, a scheduler and automated workflows, and says it does not include website building or email marketing; the Starter plan has no scheduler or automations. Bonsai covers proposals, contracts, invoices, time tracking and projects, priced per user, with invoicing starting above the Basic plan. None of the three delivers coaching work between sessions: no programs, habits, check-ins or client community.

How do you run this invoice in Coachful?

In Coachful, the invoice is not a separate document you build each month. It is produced when a client pays for an offer, and you can add manual invoices for anything billed outside a checkout. The record then sits on the client's profile alongside everything else you did for them.

Coachful's Offers page on the laptop and the Agreements tab on the tablet, both with demo data.

Coachful is a coaching platform for coaches and advisors who deliver programs, not just sessions. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and Michelle, the built-in AI assistant. You get one login, and your client gets one app with your branding. It is built for solo practitioners growing into a small team and for anyone replacing four to six tools. It is not an enterprise accounting system, it does not accept PayPal, and it is not HIPAA-certified. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients.

Here is the walkthrough, step by step, in the order a consulting client moves through it.

  1. Connect payments. Connect your own Stripe Connect or Razorpay account. Coachful charges a 0% platform fee (since August 2026); you pay only Stripe or Razorpay processing. Stripe Tax can calculate tax where you have enabled it.
  2. Build your offers. Create the retainer as a subscription, a fixed-fee engagement as a one-time payment or a payment plan, and sessions as paid sessions or session credits. Coupons and order bumps are available if you sell add-ons such as an extra workshop.
  3. Take the intake. Add intake questions to the booking page for your discovery call, so you collect the client's legal entity, billing contact and PO requirements before the first invoice.
  4. Send the agreement. Send your consulting or coaching agreement for e-signature before the first call. It is stored on the client record, so the terms your invoice cites are one click away. The coaching contracts page shows how agreements fit in.
  5. Deliver the work. Run sessions from the calendar, with two-way Google, Apple or Outlook sync and auto-created Zoom, Meet or Teams links. If the engagement includes a structured program, add weekly goals, tasks and check-ins.
  6. Invoice. Each payment produces an invoice in the Payments tab. For overage hours or expenses billed after the fact, create a manual invoice for that client.
  7. Track. The client record shows payments, sessions, notes and goals together, with a status of thriving, active, quiet or at risk, so you notice a quiet client before the renewal invoice.

What does the client see?

Your client sees their next session, their programs, progress and documents inside your branded hub in the Coachful app. Payment happens at checkout with card, Apple Pay or Google Pay, and they get the invoice for each transaction. They do not need to hunt through email for a PDF.

What are the most common consultant invoice mistakes?

Most invoices that sit unpaid are not disputed; they are stuck. These are the errors that get them stuck.

  • Billing the wrong entity. Invoicing "Halden" when the agreement says "Halden Outdoor Goods Inc." can bounce the invoice out of an automated AP system.
  • Missing the PO. Many larger companies will not pay anything without a matching purchase order. Ask for it at kickoff, not at the first invoice.
  • Vague time lines. "Consulting services, 40 hours" forces the approver to ask what you did. Name the workstream.
  • Surprise expenses. Travel or software you did not get approved in writing is the line most often cut.
  • A due date written as terms only. "Net 30" leaves room for argument about when the clock started. Write the date.
  • Late fees nobody agreed to. Adding a fee that is not in the contract damages the relationship and is hard to collect.
  • Reusing invoice numbers. After a correction, issue a credit note and a new invoice, so your records and the client's still match.
  • Sending to your contact instead of AP. Your sponsor may forward it a week later. Copy both.
  • Invoicing late. A retainer billed on the 20th for the current month trains clients to pay late. Bill retainers in advance on a fixed date.
  • Not chasing on day one. A short, polite note the day after the due date works better than a firm one a month later.

If you are earlier in the journey and still setting rates, how to become a freelance consultant and moving from freelancer to high-ticket consultant cover pricing and packaging, and the consultant website guide covers where clients find you.

How is a consulting invoice different from a coaching invoice?

A consulting invoice usually carries more procurement detail (PO numbers, SOW references, cost centers) and more mixed billing (retainer plus time plus expenses) than a coaching invoice. Coaching invoices are often simpler packages billed to an individual. If you do both, the coaching invoice template and the coaching invoice billing guide cover the coaching side, and you can keep one numbering sequence across both.

Is this template legal or tax advice?

No. This template and guide are general information, not legal, tax or financial advice. Invoice requirements, sales tax and VAT rules, limits on late-payment interest and card surcharges vary by country, state and province. Have an accountant review your invoice format before you bill clients in a new jurisdiction, register for VAT or sales tax, or start charging interest, and have a lawyer review the payment terms in your consulting agreement if a large client pushes back on them.

Frequently asked questions

Is this consultant invoice template free to use?

Yes. Copy it into Word, Google Docs or any invoicing tool and change it as you like. Delete the line-item blocks you do not use, and fill in the tax lines for your own jurisdiction.

Should I bill a consulting retainer in advance or in arrears?

Most consultants bill retainers in advance, because the fee reserves your availability for the coming month. Time beyond the retainer is billed in arrears as overage, with a log. Whatever you choose, write it into the agreement so the invoice simply follows it.

What payment terms should an independent consultant use?

Net 15 or Net 30 are common for business clients, and due on receipt is common for smaller ones. Large companies often set their own terms in the vendor contract, so check that before you promise anything. Always print the actual due date on the invoice.

Do I need to charge sales tax or VAT on consulting?

It depends on where you and the client are and whether you are registered. Some US states tax certain services, and in the UK and EU, VAT registration thresholds and reverse-charge rules apply. Check with an accountant; the official HMRC and EU pages linked above are a good starting point.

Can I add a late fee to a consultant invoice?

You can if the client agreed to it before the work started, usually in the agreement or SOW. Some places also give businesses a statutory right to interest on late commercial payments. Adding a fee that was never agreed is hard to collect.

How detailed should time entries be?

Detailed enough that the approver recognizes the work without asking you. Group hours by named workstream and date range, and attach the full log separately rather than putting every entry on the invoice.

Does Coachful create invoices automatically?

Yes. Coachful creates an invoice for each transaction, and you can add manual invoices for anything billed outside a checkout. Payments run through your own Stripe Connect or Razorpay account with a 0% platform fee, and invoices are stored on the client record.

Can clients pay a Coachful invoice with PayPal?

No. Coachful does not support PayPal. Clients pay by card, Apple Pay or Google Pay through your Stripe or Razorpay account. If a client insists on bank transfer, include your bank details on a manual invoice.

What is the free white-glove build service?

It is a free service included on every Coachful plan. You describe what you want built, such as your offers, a client application funnel, an intake form or a website, and the Coachful team builds it inside your account, usually within about 24 hours. It does not include video recording, logo design or ad management.

How long should I keep copies of my invoices?

Keep them for as long as your tax authority requires, which varies by country; the IRS recordkeeping guidance linked above explains the US approach. Store them where you can find them by client and by invoice number, not only in your email.
