7 Best AI Tools for Grief Coaches (2026 Guide)

7 Best AI Tools for Grief Coaches (2026 Guide)

The best AI tools for grief coaches are the ones that help you stay present with a grieving client between sessions without handing that presence to a machine. Grief does not keep to a weekly calendar. A client can be steady on Tuesday and flattened by a song in the supermarket on Thursday, so the useful question is not "which chatbot writes the fastest" but "which tool notices when someone goes quiet, keeps their reflections in one place, and lets me show up prepared?"

Our pick is Coachful, because it puts the AI assistant inside the same place where your clients check in, journal, book, pay and join a support circle. We make Coachful, so weigh that, and read the "Pick it over Coachful if..." line at the end of every section. Below you will find a five-question checklist to answer about your practice, a table that maps your answers to a tool, seven ranked reviews, costs at 5, 15 and 40 clients, and the red flags that make switching expensive later.

One line before anything else: grief coaching is not grief therapy, and no AI tool changes that. Coaching supports people through a normal, painful process. If a client shows signs of what clinicians call prolonged grief disorder, talks about ending their life, or cannot function months after a loss, refer them to a licensed mental health professional. In the US, the 988 Suicide and Crisis Lifeline is available by call or text.

What do grief coaches actually need from AI tools?

Grief coaches need AI that reduces admin and sharpens attention, not AI that talks to clients in their worst moments unsupervised. The workflows are different from a productivity or fitness coach, and that changes what "good" looks like.

Here is what a grief practice tends to run on:

  • Gentle between-session contact. Short morning or evening check-ins ("How did today feel, from 1 to 5?"), journaling prompts, and a way to see who has stopped responding. Withdrawal is often the signal that matters most, and it is easy to miss when clients are spread across email, text and a notes app.
  • Session notes you can trust. Grief sessions are emotionally dense. Clients mention names, dates, anniversaries and family tensions you need to remember next time. An AI summary of a recorded session, kept on the client record, saves you from writing it up at 9pm.
  • Clear scope paperwork. An agreement that says, in plain words, that coaching is not therapy and explains when you will refer. It should be signed before the first call, not buried in an email thread.
  • Circles and cohorts. Many grief coaches run small groups: widowed parents, adult children who lost a parent, pet loss, pregnancy loss. You need a private community or group chat per cohort, plus group calls.
  • Self-paced material. A drip course or a weekly journal series ("Week 3: the firsts") lets clients move at their own pace between calls.
  • Quiet marketing. Grief clients rarely respond to hype. A calm website, a free resource such as a guide to the first year, and an email sequence that sounds human matter more than an aggressive funnel.

If you want the wider view of AI across coaching, our parent guide to AI tools for coaches covers what saves hours and what is hype. For the software side specific to this niche, see coaching software for grief and loss coaches.

Which questions should you answer before choosing?

Answer these five questions about your practice first; the table after them turns your answers into a short list.

  1. Do your clients need structured support between sessions? If you want daily or weekly check-ins, reflection prompts and a way to spot a client going quiet, you need a delivery tool, not only a note taker.
  2. Do you run groups or remembrance circles? If yes, a community feed, cohort groups and group video calls belong in the same system as your one-to-one clients.
  3. Do you record sessions and want AI notes? If yes, decide whether the summary should live on the client record or in a separate transcription app, and how you will ask for consent to record.
  4. Are you a licensed clinician who also coaches? If you bill insurance or keep clinical records, you need a clinical system with a signed business associate agreement under HIPAA, and a coaching platform is the wrong home for those records.
  5. Is your main revenue a course or a membership rather than one-to-one work? If you mostly sell a self-paced grief program to many people, a course-first platform might suit you, even though it does less for individual clients.

How did we choose and rank these tools?

We started from the grief coach's week rather than from a list of AI products. A tool earned a place if it either removes a real piece of admin (notes, follow-up, drafting) or makes between-session support easier to deliver. We did not run hands-on trials for this guide; descriptions come from what each vendor documents on its own pages and, where noted, public ratings.

We weighed four things, in this order: whether the coach and client each get one login for the whole journey, how well the tool supports contact between sessions, the total monthly cost of the stack you would actually need, and how much setup it takes before your first client sees anything. Two kinds of tool made the list. Platforms that run the practice (Coachful, Practice Better, Simply.Coach, Kajabi, GoHighLevel) and single-purpose AI tools that sit next to one (Otter.ai, ChatGPT). A grief coach on a platform without built-in AI often ends up paying for both.

1. Coachful: why is it the best fit for most grief coaches?

Coachful is the best fit for most grief coaches because the AI works from the same client records where check-ins, notes, sessions and payments already live, so it can brief you on a client instead of guessing. It is a coaching platform covering booking, payments, contracts, programs with habits and check-ins, courses, a community, a website with funnels and email, and a built-in AI assistant, with one login for you and one branded app for your clients.

What the AI does inside a grief practice

Michelle, the built-in assistant, works from your live practice data. For a grief coach, the practical uses are:

  • Session summaries. Michelle summarizes recorded sessions, so the names, dates and small details a client shared ("the first Christmas without Dad", "my sister hasn't called") land on the client record instead of in your memory.
  • Briefings before sessions. Before a call, Michelle briefs you on that client from their record, where check-ins, notes, habits and goals already sit. Walking in knowing that someone's evening check-ins have dropped all week changes the first five minutes of a session.
  • Drafting. It builds programs, drafts emails and drafts content. A four-week "first anniversary" program or a gentle re-engagement email can start as a draft you then rewrite in your own voice.
  • Private feedback on your coaching. Optionally, Michelle gives you private feedback on your own coaching against ICF Core Competencies 3 to 8. For coaches working toward a credential, this is a quiet way to reflect on how you held a heavy session.

Questions and planning with Michelle are included in your Coachful membership; confirmed builds and changes use AI credits. More detail is on the AI coaching assistant page.

There is also the AI Coach: an AI version of you that selected clients can chat with between sessions, configured by you. Use it with care in grief work. It is a reasonable place for a client to revisit a reframe you discussed or find the worksheet from week two at 11pm. It is not a crisis line, and you should tell clients so in your agreement and point them to emergency services and 988 for anything urgent. Turn it on only for clients where you are comfortable with that boundary.

Between-session support that notices withdrawal

Programs in Coachful run over multiple weeks with weekly goals, daily tasks, habits, and morning and evening check-ins. Each client record holds goals, check-ins, habits, notes, intake answers, sessions and an AI briefing, and shows a status of thriving, active, quiet or at risk. In grief work, "quiet" is often the status you most need to see, and it shows up on your dashboard without you scrolling through messages.

This walkthrough shows how check-ins are set up and what the client sees:

Courses with modules, lessons and drip schedules, plus downloads, videos and AI tools, are delivered into the client's branded home and app. That suits a self-paced journaling series that opens one lesson a week. Coaching flow and journey templates give you a starting structure you can soften for bereavement.

Circles, agreements and the rest of the practice

Community feed, group chat, direct messages and video events are built in, and cohort groups are created automatically when someone enrolls in a program. If you run an eight-week circle for widowed parents, each cohort gets its own space. Our guide to group coaching platforms for grief coaches goes deeper on running circles.

Coaching agreements with e-signature go out before the first call and are stored on the client record, which is where your "coaching is not therapy" scope clause belongs (see coaching contracts). Booking pages collect intake questions, so you can ask gently about the loss and screen for anything that needs a clinical referral before you meet. Payments run through your own Stripe or Razorpay account, with a 0% Coachful platform fee. ICF credential tracking counts hours and distinct clients against ACC, PCC and MCC thresholds (ICF hour tracking).

Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you · FREE", describe what you want, attach up to 8 reference links and up to 10 files, and the Coachful team builds it inside your own account, usually within about 24 hours. For a grief coach that might be a calm website with one "book a free conversation" button, a free "first year after loss" guide funnel, a six-week program outline or a gentle email sequence. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not include recording videos, logo design or ongoing marketing. Read more about the free white-glove service.

How a grief coach sets it up, step by step

  1. Start a free trial and send a white-glove request for your website and a lead-magnet funnel (for example, a free guide to the first month after a loss).
  2. Write your agreement with a scope clause and a referral clause, and attach it to your booking flow so it is signed before session one.
  3. Add intake questions to your booking page: who they lost, when, what support they already have, and whether they are currently seeing a therapist.
  4. Build a six or eight week program with an evening check-in ("one word for today") and one weekly reflection. Ask Michelle for a first draft, then rewrite it in your voice.
  5. Create a cohort community for your next circle and schedule the group calls.
  6. Decide whether to turn on the AI Coach, and for which clients, and say in writing what it is and is not for.
  7. Each morning, check which clients show as quiet or at risk and reach out personally.

What Coachful does not do

Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. There is no PayPal and no permanent free plan. The client app ships under the Coachful listing with your branding, not under your own App Store account. It is built for coaches who deliver programs, solo coaches growing into a small team, and coaches replacing four to six tools. Current plans: (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Coachful holds a Trustpilot rating of 4.5 from 21 reviews.

2. Otter.ai: is a dedicated note taker worth adding?

Otter.ai is worth adding if you already run your practice somewhere without AI and only want recorded sessions turned into transcripts and summaries. It is a meeting transcription tool, not a coaching platform, so it does nothing for check-ins, payments or groups.

Where it earns its keep

For a grief coach, the value is simple: you stay with the client instead of typing, and you get a searchable record afterwards. Otter's AI chat lets you ask questions across your conversations, which helps when you want to recall what a client said about their mother three sessions ago. Its pricing page lists exports to formats such as txt, pdf and docx, so you can move a summary into whatever client record you keep.

What it costs, as listed

  • Basic: free, with 300 minutes of meeting transcription per user per month, a 30-minute cap per conversation, 3 lifetime file imports and 20 AI chat queries per month.
  • Pro: $16.99 per user per month, or $8.33 per user per month billed annually, with 1,200 minutes per month and 50 AI chat queries.
  • Business: $30 per user per month, or $19.99 per user per month billed annually, with unlimited meeting transcription and 200 AI chat queries.

The Otter pricing page also showed temporary promotional discounts when we checked, which we have left out.

The limits that matter in grief work

The free plan's 30-minute cap rules it out for most grief sessions, which typically run 50 to 60 minutes. On Pro, an example practice of 5 clients seen weekly for an hour uses around 1,200 minutes a month, right at the cap, so a busier practice needs Business. More important than minutes is consent: ask before you record, explain where the transcript goes, and offer clients the option of no recording at all. Some grieving clients will say things they would never want written down. A separate note taker also means one more place where sensitive material is stored, and one more login to secure.

Pick it over Coachful if... you are happy with your current booking and delivery setup, you only need transcripts and summaries, and you do not want to move clients to a new platform.

3. ChatGPT: how should a grief coach use a general AI assistant?

A grief coach should use ChatGPT as a drafting partner for material that contains no client details: worksheets, journaling prompts, blog posts, email newsletters and workshop outlines. It knows nothing about your clients unless you tell it, and that is exactly how it should stay.

Good uses, and one firm rule

Reasonable tasks include drafting a 12-prompt journal for the first anniversary, turning your session notes on "continuing bonds" into a plain-language handout, brainstorming names for a pet loss circle, or rewriting a sales page so it sounds less like marketing. You then edit every line, because grieving readers notice generic phrasing immediately.

The firm rule: do not paste names, dates of death, diagnoses or anything else that identifies a client into a general chatbot unless you have checked its data and training settings and your agreement allows it. Even then, keep identifiable material in your client system instead.

Price, as far as we could verify

When we checked ChatGPT's pricing page for this guide, it listed a Pro tier starting at $100 per month. We could not verify the prices of its other tiers from the page, so check them yourself before you budget.

Where it falls short for this niche

ChatGPT has no booking, payments, check-ins, client records or groups. Every useful output has to be copied somewhere else, and it has no memory of your actual practice data. Relying on it means building the rest of the practice from other tools, a cost the pricing section below makes visible.

Pick it over Coachful if... you only need help writing content and you already have a platform for clients, or you want a general assistant for tasks well outside your coaching business.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

4. Practice Better: when does a practitioner tool make sense?

Practice Better makes sense when you are a licensed practitioner who also offers grief support and needs scheduling, telehealth, charting and billing in one place. It is practice management for wellness and nutrition practitioners, with programs and a client portal.

Practice Better homepage presenting its practice management software for wellness practitioners
Practice Better's homepage in October 2026.

What a grief coach would use it for

The charting side suits someone keeping practitioner-style notes. Programs and the client portal give clients a place to find material between sessions, and telehealth means video calls happen inside the tool. If you are a counsellor or nurse who has added coaching, this structure may feel more familiar than a coaching platform. Practice Better's listing does not lead with AI features, so you would likely pair it with a separate note taker or writing assistant.

Listed pricing and the plan gates

  • Sprout: $0/month, 3 clients, 1 practitioner, 100 MB.
  • Starter: $35/month ($25 annual), 10 clients, 1 GB.
  • Professional: $69/month ($59 annual), 300 clients, 5 GB.
  • Plus: $99/month ($89 annual), unlimited clients, 3 admins, unlimited storage.
  • Team: $155/month ($145 annual), 2 practitioners, up to 200 at +$50 each.
Practice Better pricing page with its plan tiers

Evergreen programs, portal branding, a custom URL and SMS start on Plus, so a grief coach who wants a branded, always-open program is looking at the $99 plan. Free trials are 30 days on Team and 14 days on other paid plans. Payments run through Practice Better Payments powered by Stripe; we did not find rates listed. An older profile notes no website builder or funnel pages, so marketing lives elsewhere. Practice Better holds a Trustpilot rating of 3.8 from 87 reviews, seen in October 2026.

If you are clinical and need HIPAA, confirm directly with Practice Better what agreement it signs and on which plan; we have not verified that here.

Pick it over Coachful if... you chart as a licensed practitioner, your grief work sits inside a clinical or wellness practice, and you do not need a website, funnels or community from the same tool.

5. Simply.Coach: is a structured engagement platform enough?

Simply.Coach is enough for a grief coach who mainly runs one-to-one engagements with a contract, a set number of sessions and a client portal, and who does not need groups or marketing tools. It covers contracts, programs, sessions, booking pages and a portal, with business and enterprise tiers for coaching firms.

Simply.Coach homepage presenting its coaching practice platform for contracts, programs and sessions

Fit for a bereavement practice

The contract-first structure fits coaches who sell a defined package, say eight sessions over three months after a loss, and want the agreement, sessions and shared notes tied together. Like Practice Better, Simply.Coach's pricing listing does not lead with AI, so the AI in your stack would come from elsewhere.

The caps to plan around

  • Starter: $9/month, 3 active coachees, 1 contract, 1 program.
  • Essentials: $29/month ($24.17 annual), 7 coachees, 3 contracts, 3 programs.
  • Growth: $49/month, 30 coachees, 10 contracts and programs, 3 calendars.
  • Leap: $69/month, unlimited coachees, contracts and programs.
  • Business tiers: CoCreate $79/month and Surge $159/month, priced per active coach.

Every solo tier below Leap caps clients, contracts and programs. For grief coaching, the program cap is the one to watch: if you want separate programs for loss of a partner, loss of a parent and pet loss, three programs on Essentials goes quickly. There is a 14-day free trial with no card required, no refunds for mid-period cancellations, and automated invoices were marked "Coming Soon" on the solo pricing page. Transaction fees are not stated on its pricing pages.

Pick it over Coachful if... your practice is almost entirely contracted one-to-one engagements, you have no plans for circles, courses or a website in the same tool, and the lowest monthly figure matters most at a very small client count.

6. Kajabi: what if your grief work is mostly a course?

Kajabi is the right call if most of your income comes from a self-paced grief course or membership sold to a large audience, rather than from coaching individuals. It is a course, community, website, funnel and email platform for knowledge products.

Kajabi homepage presenting its platform for selling courses, communities and knowledge products
Kajabi's homepage in October 2026.

Strengths for a course-led grief business

A coach with a following who sells, for example, a 30-day "living with loss" course can host it, sell it, email buyers and run a community from Kajabi. The Growth and Pro plans include AI credits (500 and 1,000), which help with drafting course and marketing material. Our course platforms for grief coaches guide compares it with others.

Cost and gaps, as listed

  • Basic: $179/month ($143 annual), 5 products, 2,500 contacts, 1 community, 0 AI credits.
  • Growth: $249/month ($199 annual), 50 products, 25,000 contacts, 500 AI credits.
  • Pro: $499/month ($399 annual), unlimited products, 100,000 contacts, 1,000 AI credits.

Kajabi Payments in the US charges 2.9% + $0.30 on Basic down to 2.7% + $0.30 on Pro, and using another processor (other than PayPal) adds a Kajabi fee of 0.5% to 2%. The bigger gap for grief coaches is that coaching in Kajabi is products and communities, not per-client plans: there are no habit tracking or daily client check-ins, so you cannot see one client going quiet the way you can on a coaching platform. The trial is 14 days, with some features locked until a paid plan starts. Kajabi holds a Trustpilot rating of 3.4 from 2,347 reviews, seen in October 2026.

Pick it over Coachful if... you sell a course to hundreds or thousands of people, one-to-one coaching is a small add-on, and you need Kajabi's contact and product scale.

7. GoHighLevel: does an agency marketing CRM suit grief coaching?

GoHighLevel rarely suits a solo grief coach; it is built for agencies running marketing for many businesses, and its strengths are in campaigns, not care. It is an all-in-one marketing CRM with funnels, websites, calendars, SMS and email, invoicing, contracts, courses and communities, organized around sub-accounts.

GoHighLevel homepage presenting its all-in-one marketing CRM for agencies and businesses
GoHighLevel's homepage in October 2026.

Who in this niche it could serve

A grief coaching organization with a marketing team, running SMS reminders and multi-channel campaigns for several coaches or locations, could use the sub-account structure well. HighLevel's AI features help with marketing tasks, but AI usage is metered on top of the plan.

Pricing and the hidden costs

  • Starter: $97/month ($80.83 annual), 3 sub-accounts, unlimited users and contacts.
  • Unlimited: $297/month ($247.50 annual), unlimited sub-accounts.
  • Agency Pro: $497/month ($414.17 annual).

SMS, email, phone and AI usage are metered and billed separately, and HIPAA is a $297/month add-on not included on the standard plans. There are no habit tracking, client check-ins or a structured coaching program engine; you would simulate them with workflows and forms. There are no built-in video rooms, only Zoom and Google Meet links. The 14-day trial bills automatically at the end unless cancelled. HighLevel holds a Trustpilot rating of 4.9 from 15,250 reviews, seen in October 2026.

Pick it over Coachful if... you run a multi-location or agency-style grief services business, your priority is SMS and campaign automation, and you have someone to build and maintain the workflows.

What will these tools cost at 5, 15 and 40 clients?

Total cost depends less on the headline price than on how many tools you have to stack; a platform without check-ins, groups or AI usually needs two or three add-ons. Figures below are the listed monthly prices for the plan that covers each client count.

What red flags and switching costs should grief coaches watch for?

The biggest red flags in this niche are tools that store sensitive conversations in places you cannot control, and stacks that are painful to leave once a cohort is mid-program.

Red flags

  • AI that talks to clients with no boundary. Any client-facing AI needs a written explanation of what it is for, a clear "this is not crisis support" line, and a referral path. If a tool lets you switch it on for every client by default without thinking, slow down.
  • Recording without a consent step. Grief sessions include family conflicts, health details and sometimes guilt. Record only with explicit permission, and know where the file and transcript live.
  • Client details pasted into general chatbots. Keep identifiable information inside your client system.
  • Clinical work on a coaching platform. If you diagnose or treat, you need a system with a BAA. Coachful is not HIPAA-certified.
  • Metered fees you cannot predict. SMS, email and AI usage billed per unit can make a quiet month and a launch month cost very different amounts.
  • Program caps. Grief coaches often want separate tracks for different losses. A plan that caps programs at one or three forces an early upgrade.

Switching costs

Moving mid-cohort is the hardest switch: a circle that has built trust in one community space does not want to move. Plan any switch between cohorts. Before you commit to a tool, check that you can export client notes, check-in history and form responses; Coachful exports full client data as a ZIP (roster, notes, check-ins, goals, habits, sessions, form responses) and imports your clients, programs and content for you during onboarding. Keep your agreement template and intake questions in your own documents too, so they survive any move. For lead and client records, our CRM for grief coaches guide covers what to look for, and our Paperbell alternatives for grief coaches roundup covers another common starting point.

What is the verdict for grief coaches?

For most grief coaches, Coachful is the strongest choice, because its AI briefs you from the same records where clients check in, join circles, sign agreements and pay, and its quiet and at-risk statuses help you notice the client who has stopped reaching out. Add Otter.ai only if you want to keep an existing setup and just need transcripts, and use ChatGPT for content drafting that never touches client details. Choose Practice Better if you chart as a licensed practitioner, Simply.Coach for contract-only one-to-one work, Kajabi if a course is your main business, and GoHighLevel only for an agency-style operation.

Whatever you pick, keep your scope line written into your agreement, refer when grief looks clinical, and let AI handle the admin so your attention stays with the person in front of you. If you are also comparing community tools, see community platforms for grief coaches, and for newsletters, email marketing platforms for grief coaches.

Frequently asked questions

What are the best AI tools for grief coaches?

Coachful is our top pick because its AI assistant works from your client records, check-ins and sessions in one place. Otter.ai is a good add-on for transcripts if you keep another platform, and ChatGPT helps with drafting content that contains no client details. Practice Better, Simply.Coach, Kajabi and GoHighLevel fit narrower situations.

Is it safe to use AI with grieving clients?

It can be, if you keep AI in a supporting role and set clear boundaries. Ask before recording, keep identifiable details out of general chatbots, and explain in writing that any client-facing AI is not crisis support. Refer anyone in crisis to emergency services or, in the US, 988.

Is grief coaching the same as grief therapy?

No. Grief coaching supports people through a normal response to loss, while therapy assesses and treats mental health conditions. Refer clients to a licensed professional if you see signs of prolonged grief disorder, suicidal thoughts, substance misuse or an inability to function over time.

Can Coachful's AI Coach replace me between sessions?

No, and it should not. The AI Coach is an AI version of you that selected clients can chat with between sessions, configured by you. In grief work it suits revisiting material you covered together, not handling crises, and you choose which clients have access.

Is Coachful HIPAA compliant?

Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. Grief coaches who are also licensed clinicians should keep clinical records in a clinical system and use Coachful for coaching work.

What is Coachful's free white-glove service?

It is a build service included on every plan: you describe a website, funnel, program, email sequence or other piece, attach links and files, and the Coachful team builds it inside your account, usually within about 24 hours. It does not invent credentials, testimonials or prices, and it does not cover video recording, logo design or ongoing marketing.

Do I need a separate AI note taker if I use Coachful?

Usually not. Michelle summarizes recorded sessions and keeps the summary with the client record, and it briefs you before sessions from your live data. Some coaches still prefer a separate transcription app, but it adds a login and another place where sensitive material is stored.

How can I run grief support circles online?

Use a platform with private community spaces and group calls tied to each cohort. In Coachful, cohort groups are created automatically when clients enroll in a program, with a community feed, group chat and video events. Plan cohorts with a fixed start date so members move through the material together.

Should my coaching agreement mention AI?

Yes, if you record sessions, use AI summaries or offer a client-facing AI. Say what is recorded, where it is stored, what the AI is for and what it is not for. Laws vary by location, so have a local lawyer review your agreement.

How do I start with Coachful?

Start a free trial, then send a white-glove request from Create for your website, funnel or first program. Add your agreement and intake questions, build your check-ins, and your clients, programs and content can be imported for you during onboarding.
