Best CRM for Menopause Coaches: 10 Options Ranked

Best CRM for Menopause Coaches: 10 Options Ranked

The best CRM for menopause coaches is the one that holds a whole client on one record: the discovery call, the intake answers about sleep, hot flushes and energy, the session notes, the weekly check-ins, the habits she is building and every payment. Menopause clients rarely buy a single session. They join a 12-week program, report how the week went, and need a nudge when they go quiet. A sales-pipeline CRM tracks a deal until it closes; a coaching practice needs the record to keep working for months after it does.

Our pick is Coachful, because it combines lead follow-up, booking, payments, programs with check-ins and a branded client app under one login. We make Coachful, so weigh that, and read the "pick it over Coachful if" line at the end of every entry: nine other tools win specific situations, and the quick-picks table below tells you which.

What does a menopause coach actually need from a CRM?

A menopause coach needs a CRM that follows the client after the sale, not just before it. The working day of this niche looks different from a consultant's or a sales coach's, and the requirements follow from that.

  • Leads arrive warm and anxious. Most come from a free guide ("7 ways to sleep better in perimenopause"), a webinar or a referral from a friend. The CRM has to capture the source, send a gentle follow-up sequence and make booking a free consultation one click away.
  • Intake carries sensitive context. Cycle changes, sleep, mood, current HRT or other medication, and goals. You want that intake attached to the client record and visible before the first call, without turning your CRM into a medical chart.
  • The real work happens between sessions. Symptom and energy check-ins, sleep and movement habits, protein or hydration targets, a strength routine. A CRM that only stores contact details and deal stages misses the part of the job that produces results.
  • Programs, not single calls. A typical offer is a 3-month 1:1 package or a group cohort, paid in full or by payment plan. The CRM needs to know who is in which program, which week they are on, and whether a payment failed.
  • What the client sees matters. A woman juggling work, teenagers and ageing parents will not log into four tools. One branded app with her next session, tasks and messages is the difference between a client who checks in and one who drifts.
  • A clear scope line. Your records must make it easy to spot when someone needs a doctor rather than a coach, and they should not pretend to be clinical records.

For a broader view of the whole stack (website, courses, community), see our guide to the best software for menopause coaches. If you want the general version of this list without the niche lens, read best CRM for coaches.

Where does menopause coaching stop and medical care begin?

Coaching supports behaviour change, routines and confidence; it is not diagnosis or treatment. The US National Institute on Aging describes menopause as the point 12 months after a woman's last period, with symptoms that can start years earlier in perimenopause (NIA, What Is Menopause?). The NHS advises seeing a GP when symptoms are troubling, or when they begin before the age of 45 (NHS, Menopause).

Build a referral habit into your CRM. Tag and refer a client to her doctor when she reports any bleeding after menopause, very heavy or unusual bleeding, chest pain or a racing heart, a sudden change in mood or thoughts of self-harm, or questions about starting, stopping or changing HRT or any medication. Your notes should record that you referred, not what the diagnosis might be.

On privacy: none of the coaching tools on this list markets itself as HIPAA-certified for coaches, and Coachful is not HIPAA-certified (it does not sign a BAA). HIPAA rules apply to "covered entities" such as health plans and providers who bill electronically (HHS, Covered Entities). If you are also a licensed clinician, keep clinical records in a clinical system and check your obligations with an attorney. More on positioning in menopause coaching: what it covers and where it stops.

CoachAccountable, Bonsai and Keap complete the ten; they appear below with the narrower situations they fit.

How did we rank these CRMs?

We read each vendor's own pricing page and product documentation as listed in October 2026, and public reviewer reports where we cite them. We did not run hands-on tests with real clients. Each tool was scored on five questions a menopause coach would ask:

  1. One record per client. Are sessions, notes, intake answers, goals, check-ins and payments on the same profile?
  2. Lead follow-up. Can a free guide or webinar sign-up flow into an email sequence and a booked consultation without a separate tool?
  3. Between-session delivery. Can clients log symptoms, habits and weekly reflections that the coach sees?
  4. Client experience. Does the client get one portal or app, or a string of emails and links?
  5. Cost and setup at 5, 15 and 40 clients. Including the extra tools you would still need to buy.

Sales CRMs such as HubSpot and Keap score well on question 2 and poorly on 3 and 4, which is why they sit low on this list even though they are strong products for sales teams. For the deeper method behind a coaching CRM, see coaching client CRM management.

1. Coachful: best overall CRM for menopause coaches

Coachful wins when you want the lead, the client and the program to live on the same record. It is a coaching platform where one membership covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant, with one login for you and one branded app for your client.

How leads become clients

A menopause coach's funnel usually starts with a lead magnet. In Coachful, a lead-magnet funnel collects the email, tags the source and starts a multi-step email sequence with delays, branching and A/B splits. Each lead lands in Prospects, where you see the form or resource she came from and her stage. Booking funnels and application funnels send her to a booking page with your availability rules, buffers, minimum notice and time-zone detection. Intake questions on booking mean you read her answers about sleep, cycle and goals before the consultation, and the Intakes page shows upcoming calls and your conversion rate. Read more on the lead management side.

What sits on each client record

Once she signs, the client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, plus an AI briefing before each call. Every client carries a status of thriving, active, quiet or at risk, which is the early warning a menopause coach needs: the client who stops logging sleep in week five is usually the one who will not renew. Coaching agreements with e-signature go out before the first call and are stored on the record, and the coaching contracts feature keeps your scope wording in front of every new client.

Here is the clients walkthrough, showing the roster, status and what sits behind each profile:

Between-session delivery

This is where a coaching CRM separates from a sales CRM. You build a multi-week program, for example a 12-week "Midlife Energy Reset", with weekly goals, daily tasks, habits and morning and evening check-ins. A morning check-in can ask about sleep quality and energy; an evening one can ask about hot flushes, mood and whether she did her strength session. Goals show progress bars and streaks. If you coach nutrition and strength, the Fitness & Nutrition pack adds a workout builder with an illustrated exercise library, nutrition targets up to calories and macros, meal plans, recipes and private progress photos and measurements. You attach your own demo videos; there are no stock exercise videos, and there is no Garmin, Fitbit, Whoop or Oura sync.

Coachful's coaching flows library with welcome, morning check-in and evening check-in flows.

Group cohorts are created automatically when clients enrol in a program, with a community feed, group chat and video events. That suits the "menopause circle" format many coaches run alongside 1:1 work. Courses with modules, drip and completion tracking deliver your education content into the same app.

What your client sees

Your client opens one app, under your branding inside the Coachful app, and sees her next session, programs, progress, documents and any form to fill in before the call. Session reminders go by email, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled. Calls run on built-in video or auto-created Zoom, Meet or Teams links, and two-way sync covers Google, Apple and Outlook calendars.

Payments, AI and the practical limits

Payments run through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, coupons, refunds, Apple Pay and Google Pay. Coachful takes a 0% platform fee, so you pay only the processor's fees. Michelle, the built-in AI assistant, works from your live practice data: she can draft a program outline, write a follow-up email, summarise a recorded session or brief you before a call. Questions and planning are included in your Coachful membership; confirmed builds use AI credits.

The limits are worth stating plainly. Coachful is not HIPAA-certified and is not for clinical records or insurance billing. There is no PayPal, no permanent free plan, and no multi-stage deal board for large sales teams. The client app ships under the Coachful listing with your branding, not under your own App Store account. Plans are flat monthly, lower plans cap the number of clients, Pro is unlimited (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients), and monthly plans cancel in one click.

Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you" and describe what you need: a website, a lead-magnet funnel, a program, an email sequence, an intake form. Attach up to 8 reference links and up to 10 files, such as your logo, photos and existing copy. The Coachful team builds it inside your account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. One recent build was for a menopause and midlife health coach starting from nothing: a five-page site in sage and cream, with every button leading to a free 20-minute consultation. Read more about the free white-glove service.

In short: Coachful is for menopause and midlife coaches who deliver programs, not just sessions, and who want to replace a scheduler, payment tool, email platform and course host with one membership. It does not replace a clinical record system. To start, open a free trial and request the white-glove build. See how the coaching CRM fits together, or browse the page for health coaches.

2. HoneyBook: when your offer is a proposal and a contract

HoneyBook suits the menopause coach whose business runs on a few high-ticket 1:1 packages sold after a consultation: send a proposal, collect a signature and a deposit, then invoice the rest.

HoneyBook's homepage presenting its client management CRM for service businesses
HoneyBook's homepage in October 2026.

It is a client-management CRM for service businesses, with proposals, contracts, invoices, a scheduler and a client portal. Its strength for this niche is the paperwork moment. After a discovery call where a client says "I'm ready", you can send one branded file that combines your 3-month package description, the coaching agreement with your scope wording, and the first payment. Lead forms capture enquiries from your website, and on Essentials automations handle routine follow-up.

As listed in October 2026, Starter is $29/month billed annually (the monthly price was not shown), Essentials is $59/month ($49 billed annually) and Premium is $129/month ($109 billed annually). Starter includes unlimited clients but only two live lead forms, and the scheduler and automations start on Essentials, so most coaches will need Essentials. There is a 30-day free trial with no card required. Payments must run through HoneyBook's own processing; the pricing page FAQ quotes card fees of 2.7% + 10¢ while the plan comparison shows 2.9% + 25¢, so check before you commit.

The gap is everything after the signature. HoneyBook has no programs, courses, habits, check-ins or community. A menopause client cannot log her sleep or tick off a weekly walk inside it, so you would add a separate program or app tool, and your client would juggle two logins.

Pick it over Coachful if your coaching is mostly 1:1 sessions with no between-session tracking, and polished proposals and contracts are the part of the job you most want to improve.

3. Dubsado: when you want to script every admin step

Dubsado fits the detail-minded coach who wants each step after an enquiry to fire automatically: intake form, contract, invoice, reminder, follow-up questionnaire.

Dubsado's homepage presenting its client workflow, forms and contracts software
Dubsado's homepage in October 2026.

It is a client workflow CRM built around forms, contracts, invoices, a scheduler and automated workflows. For a menopause coach, the forms are the draw. You can build a detailed intake questionnaire covering sleep, symptoms and current support from her doctor, send it automatically after booking, and follow it with a mid-program review form at week six. Workflows can chain these so you never forget to send the welcome pack.

As listed in October 2026, Starter is $35/month ($27.92 billed annually) with unlimited clients and one active lead-capture form, and Premier is $55/month ($43.75 billed annually) with unlimited lead forms. The Starter plan has no scheduler or automations, which are the two reasons most coaches buy it, so plan on Premier. The trial is 21 days with full Premier access and no card required. Dubsado states no platform fee of its own; processor rates apply.

Dubsado says itself that it does not build websites and is not an email marketing platform, so your free guide and newsletter live elsewhere. It has no courses, client community, habits or check-ins, and the mobile app is a companion; the full product needs the desktop web app. Your clients experience Dubsado as forms and emails, not as a home for their program.

Pick it over Coachful if you want maximum control over forms and admin automation for 1:1 work, and you are happy to run programs, email marketing and your website in other tools.

4. GoHighLevel: for ad-driven funnels and SMS at volume

GoHighLevel suits the menopause coach running paid social ads to a webinar or challenge, who needs instant SMS and email follow-up across hundreds of leads a month.

GoHighLevel's homepage presenting its all-in-one marketing CRM for agencies
GoHighLevel's homepage in October 2026.

HighLevel is an agency-first all-in-one marketing CRM: funnels, websites, calendars, SMS and email, invoicing, contracts, courses and communities, organised around sub-accounts. For a coach with a big "Menopause Reset Challenge" funnel, the pipeline and messaging tools are strong: leads can be texted within minutes, moved through stages and reminded about the live session.

As listed in October 2026, Starter is $97/month ($80.83 billed annually) with three sub-accounts and unlimited users and contacts; Unlimited is $297/month. There is a 14-day free trial, and billing starts automatically at the end unless you cancel. HighLevel shows no platform fee on sales, but SMS, email, phone numbers and AI usage are metered and billed on top of the plan, so your real monthly cost rises with your lead volume. HIPAA is a $297/month add-on, not included on the standard plans.

For program delivery, the fit is weaker. There is no habit tracking, client check-ins or structured program and task engine; you would simulate them with forms and workflows. There are no built-in video rooms, only Zoom and Google Meet links. The interface is built for agencies managing many client accounts, so a solo coach takes on more setup than with a coaching-specific tool.

Pick it over Coachful if lead generation at scale, with heavy SMS and ad funnels, is your main bottleneck and you have the time or help to configure an agency tool.

5. Practice Better: for coaches who are also registered practitioners

Practice Better wins for the dietitian, nutritionist or other registered practitioner who also offers menopause programs and needs charting alongside coaching.

Practice Better's homepage presenting its practice management software for wellness practitioners
Practice Better's homepage in October 2026.

It is practice management software for wellness and nutrition practitioners: scheduling, telehealth, charting, billing, programs and a client portal. Charting is the part that fits this niche: if you work under a professional registration and keep clinical-style notes, Practice Better was designed for that kind of practice. Read our full comparison of Practice Better alternatives for menopause coaches.

As listed in October 2026, Sprout is free for three clients, Starter is $35/month ($25 billed annually) for 10 clients, Professional is $69/month ($59 billed annually) for 300 clients, Plus is $99/month ($89 billed annually) for unlimited clients, and Team is $155/month. Evergreen programs, portal branding, a custom URL and SMS start on Plus, which matters if you sell a self-paced menopause program. There is a 14-day trial on paid plans (30 days on Team) and no contracts. Payments run through Practice Better Payments, powered by Stripe.

The gaps are on the marketing side. An older profile notes no website builder or funnel pages, so your lead magnet and sales page live elsewhere. Below Team, one practitioner per account. If you are a coach rather than a clinician, the charting focus can feel heavier than you need.

Pick it over Coachful if you are a registered nutrition or health professional who needs charting and practitioner-style records next to your coaching programs.

6. Paperbell: the shortest path to selling a package

Paperbell suits the new menopause coach who wants a booking page, a package and a contract live this week, with one flat price and no setup project.

Paperbell's homepage presenting its all-in-one admin software for solo coaches
Paperbell's homepage in October 2026.

It is all-in-one admin for solo coaches: booking, packages, payments, contracts, a client portal and a simple website. For a coach launching a "6 sessions over 3 months" package, Paperbell handles the essentials cleanly: the client buys, signs, books and sees her sessions in a portal.

As listed in October 2026, Paperbell is one plan at $97/month ($80.83 billed annually) with unlimited clients, sessions, files and packages. The pricing page shows a "Try For Free" button but no trial length; an older help-center profile describes a 7-day trial with the public site offline and client messages off, plus a 30-day money-back guarantee. Paperbell states no additional transaction fees; Stripe or PayPal processor fees apply.

The limits hit once clients need more than sessions. An older profile notes no courses, community, goal tracking or habit tracking, and no native mobile app, only the mobile browser. That means no symptom or sleep check-ins, no cohort space for a group program and no place for your recorded workshops. Many coaches outgrow it when they add a group offer; see Paperbell alternatives.

Pick it over Coachful if you only sell 1:1 session packages, want the simplest possible setup, and do not plan to deliver programs, courses or check-ins.

7. CoachAccountable: for a small roster with detailed action plans

CoachAccountable fits the coach with a handful of high-touch private clients who wants structured action plans and metrics tracked per person.

CoachAccountable's homepage presenting its coaching back office software
CoachAccountable's homepage in October 2026.

It is a coaching back office: sessions, action plans, metrics, worksheets, courses, invoicing and agreements. Metrics are useful in this niche: you could track nightly sleep hours, hot-flush count or strength sessions per week, and review the trend with your client. Worksheets suit reflective exercises between calls.

Pricing is per active client, as listed in October 2026: Starter $20/month for 2 active clients, Level 1 $40 for 5, Level 2 $70 for 10, Level 3 $120 for 20, Level 4 $250 for 50 and Level 5 $400 for 100. There is a 30-day free trial with no card and no limits. That structure is fair for a small private roster and expensive for group programs: a 30-woman menopause cohort counts as 30 active clients.

An older profile notes no native mobile app and no landing pages, website or marketing automation, so lead capture and nurture happen elsewhere. The same profile records that CoachAccountable states it is not HIPAA compliant. More options are in CoachAccountable alternatives.

Pick it over Coachful if you coach fewer than ten private clients, value per-client metrics and action plans above all, and already have your marketing handled.

8. HubSpot: a free contact list before you launch

HubSpot wins one narrow situation: you are pre-launch, building an email list from a menopause guide, and want a free CRM to hold contacts until you have paying clients.

HubSpot's homepage presenting its CRM and marketing and sales suite
HubSpot's homepage in October 2026.

HubSpot is a general-purpose CRM and marketing and sales suite. The free CRM covers contacts, companies, deals, tasks, email tracking and live chat. On Free tools, as listed in October 2026, you get up to 2 users, 1,000 contacts, 2,000 email sends a month with HubSpot branding, one branded meetings link and up to 30 landing pages with HubSpot branding, with no time limit and no card. Starter seats are normally $20/seat/month; a limited-time promotion lists $10/month on monthly billing.

Everything in HubSpot is shaped around a sales pipeline: deals, stages, close dates. Its documented features include no client portal for program delivery, habits, check-ins, courses or community. Payments go through Stripe or HubSpot Payments; after the first year HubSpot Payments adds a 0.5% platform fee per transaction, and Stripe processing inside HubSpot carries a 0.75% HubSpot fee on top of Stripe's rate. As your list grows past 1,000 marketing contacts, costs climb. If you are already there, our guide to managing client CRM without HubSpot covers the move.

Pick it over Coachful if you have no paying clients yet, only need a contact list and newsletter at no cost, and are prepared to move once you start delivering programs.

9. Bonsai: for coaches who bill like freelancers

Bonsai suits the menopause coach who also does corporate workshops or consulting, such as menopause-at-work training for employers, and needs proposals, contracts, invoices and time tracking for those projects.

Bonsai's homepage presenting its business management software for freelancers and agencies
Bonsai's homepage in October 2026.

It is business management for freelancers and agencies: proposals, contracts, invoices, time tracking and projects. A coach selling a four-session workplace menopause programme to an HR team will find the proposal-to-invoice flow familiar, and time tracking helps if you bill by the hour.

Bonsai is priced per user, as listed in October 2026: Basic $15/month ($9 billed annually), Essentials $25/month ($19 billed annually), Premium $39/month ($29 billed annually) and Elite $59/month ($49 billed annually) with a minimum of three users. Basic has no invoicing or payments, so Essentials is the realistic entry. The trial is 7 days. Payment fees are linked out to the help center; an older profile lists Bonsai Payments card rates of 2.9% + $0.30, and a 1% platform fee when you use your own Stripe or PayPal where Bonsai Payments is available.

For individual menopause clients, it lacks the coaching side: no courses, community, habits, check-ins or programs. A custom domain was not yet released, marked "expected in 2026". Your private clients would get invoices and contracts but nowhere to do the work between sessions.

Pick it over Coachful if most of your income is B2B workshops and consulting projects billed by proposal or by the hour, rather than individual coaching programs.

10. Keap: email and text automation for an established list

Keap fits a narrow profile: an established menopause educator with a large list, a team member or two, and a business built on email and text campaigns.

Keap's homepage presenting its small-business CRM with email and text automation
Keap's homepage in October 2026.

Keap is a small-business CRM with email and text marketing automation and a library of prebuilt automations. It includes an appointment scheduler, quotes, one-time and recurring invoices, checkout forms and subscriptions through Keap Pay (US) or PayPal, Stripe or Eway. For a coach with thousands of contacts and several products, the prebuilt automation library covers nurture and win-back campaigns.

The cost is the barrier. As listed in October 2026, the single plan starts at $299/month ($249/month billed annually) for 1,500 contacts and 2 users, extra users cost $39/month each, and a required implementation package costs $500 one-time. An annual contract carries a $299 early termination fee. The 14-day trial needs no card but caps you at 25 emails and cannot take payments or send texts.

Keap has no course hosting, membership area, client portal or client-facing app, and no coaching programs, habit tracking or check-ins. Your clients would only meet Keap through emails and texts. For a solo menopause coach with under 50 clients, it is a sales engine without a delivery room.

Pick it over Coachful if you already have a large list and a marketing team, and your revenue depends on complex email and SMS campaigns more than on client delivery.

What does each CRM cost at 5, 15 and 40 clients?

The figures below use monthly billing for one coach, as listed in October 2026, on the cheapest plan that includes booking. They exclude card processing fees and any extra tools you would need for programs, courses or email.

Tool5 clients15 clients40 clientsNotes

A low sticker price can mislead. HoneyBook, Dubsado, Paperbell, HubSpot, Bonsai and Keap all leave you buying a separate tool for programs and check-ins, and several need a separate website or email platform too. The next section prices that out.

What do three real-world stacks cost per month?

These are example stacks for a menopause coach with about 15 active clients, built only from the prices above. They are illustrations, not quotes.

StackToolsMonthly costWhat is still missing

The patched stacks also carry a hidden cost: you copy each client between systems, and the record that tells you she has gone quiet lives in one tool while her payment lives in another. For a planned cutover, see CRM consolidation.

How would a menopause coach set this up in Coachful?

Here is an example setup for a coach launching a 12-week 1:1 program and a free guide, in roughly the order you would build it.

  1. Request the build. Use the free white-glove service to ask for a calm website (one of the wellness templates suits this niche), a lead-magnet funnel for your free guide and a five-email welcome sequence. Attach your logo, photos and your existing guide.
  2. Write your intake questions. Add booking intake questions on sleep, energy, cycle changes, current support from a doctor, and what she wants to feel like in three months. Include one question asking whether her GP knows about her symptoms.
  3. Set the booking page. A free 20-minute consultation with buffers and minimum notice, synced to your calendar, with an auto-created video link.
  4. Send the agreement. Build a coaching agreement that states your scope (coaching, not medical advice) and the referral situations listed earlier, sent for e-signature before the first paid call.
  5. Build the program. Twelve weeks with a weekly goal (for example, week 3: a consistent wind-down routine), daily tasks, two or three habits, and morning and evening check-ins. Ask Michelle to draft the outline, then edit it in your voice.
  6. Price it. Create the offer with a pay-in-full option and a payment plan through your own Stripe account. Set your rate from your market research, not from a competitor's sticker.
  7. Watch status weekly. Each Monday, filter clients marked quiet or at risk and send a short personal message before the week's session.
  8. Open a cohort later. When you have a waitlist, enrol a group in the same program and a cohort group is created automatically for discussion and live calls.

For the business side of that launch, our 90-day plan to start a menopause coaching business covers niche, offer and first clients. If booking is your main concern, compare the best scheduling software for menopause coaches.

What mistakes do menopause coaches make when choosing a CRM?

  • Buying a sales CRM for a delivery problem. Pipelines are useful for a few weeks of each client's life; check-ins and habits fill the other three months.
  • Storing clinical detail in a coaching tool. Record what she reports and what you agreed, not diagnoses or medication changes you recommended. Coaches should not recommend medication changes at all.
  • Ignoring per-client pricing. A tool that is cheap at five private clients can triple in price when you open a 30-woman group program.
  • Forgetting the client's login count. Every extra app is another password a busy midlife client will forget.
  • Skipping the referral tag. A simple "referred to GP" tag and note protects the client and you.
  • Overbuilding before launch. Start with one funnel, one offer and one program; add the community when clients ask for it.

Which CRM should a menopause coach choose?

Choose Coachful if you deliver programs with between-session support, want one record per client from first download to renewal, and would rather have the setup built for you. It ranks first because the menopause client's results depend on what happens between calls, and it is the only tool here that combines lead follow-up, check-ins, habits, courses, community and a branded client app in one membership.

The alternatives each win a narrower case: HoneyBook or Dubsado for proposal-heavy 1:1 admin, GoHighLevel for high-volume ad funnels, Practice Better for registered practitioners who chart, Paperbell for the fastest simple launch, CoachAccountable for small high-touch rosters, HubSpot as a free pre-launch list, Bonsai for workplace workshops and Keap for large-list marketing teams. Frequently asked questions

What is the best CRM for menopause coaches?

Coachful is our pick, because it keeps leads, booking, payments, programs, check-ins and a branded client app on one record and one login. HoneyBook and Dubsado are good for proposal-driven 1:1 admin, and Practice Better suits registered practitioners who need charting. We make Coachful, so compare the "pick it over Coachful if" lines above.

Do menopause coaches need a HIPAA-compliant CRM?

HIPAA applies to covered entities such as health plans and providers who bill electronically, according to HHS. Many coaches who do not bill insurance are not covered entities, but your situation may differ, so check with an attorney. Coachful is not HIPAA-certified, so keep any clinical records in a clinical system.

Can I track symptoms like sleep and hot flushes in a CRM?

Sales CRMs such as HubSpot and Keap do not offer client check-ins. In Coachful you can build morning and evening check-ins that ask about sleep, energy, mood or hot flushes, and see the answers on the client record. CoachAccountable's metrics are another option.

Is HubSpot good for a menopause coaching business?

HubSpot's free CRM is useful for holding a contact list before you launch. It is built around sales pipelines, with no client portal, programs, habits or check-ins, so you would need another tool once you have paying clients.

What is Coachful's free white-glove service?

It is a free build service on every plan: you describe a website, funnel, program, email sequence or form, attach links and files, and the Coachful team builds it in your account, usually within about 24 hours. It does not include recording videos, logo design or ad management. Gaps are left for you rather than invented.

Which CRM is cheapest for a new menopause coach?

HubSpot's free tools and Practice Better's free Sprout plan (three clients) cost nothing, as listed in October 2026, but neither covers the full client journey. Compare total stack cost, including the website, email and program tools you would add, using the tables above.

Can I run group menopause programs in a CRM?

Most CRMs here are built for one-to-one work. Coachful creates a cohort group automatically when clients enrol in a program, with a feed, group chat and video events. GoHighLevel offers communities, though without habits or check-ins.

Can I move my clients from another tool?

Yes. Coachful imports clients, programs and content for you during onboarding, and you can export your full client data as a ZIP at any time. Our guide to migrating from a coaching CRM covers the steps.

Does Coachful take PayPal?

No. Coachful takes payments through your own Stripe Connect or Razorpay account, including Apple Pay and Google Pay, with a 0% platform fee. If PayPal is essential, Paperbell and Keap list it.

When should a menopause coach refer a client to a doctor?

Refer when a client reports bleeding after menopause, very heavy bleeding, chest pain or palpitations, severe low mood or thoughts of self-harm, or wants advice on HRT or medication. The NHS also advises seeing a GP when symptoms are troubling or start before 45. Record the referral in your notes.
