Best CRM for Yoga Teachers: 5 Options Ranked

Best CRM for Yoga Teachers: 5 Options Ranked

The best CRM for yoga teachers keeps each student's whole story in one place: the intake answers that mention a tight lower back, the private sessions booked, the six-week series paid for, your notes after each class, and the nudge you send when someone hasn't rolled out their mat in two weeks. Sales-pipeline tools such as HubSpot and Keap were built for teams chasing deals, so they track leads well and students poorly. The right choice depends less on feature lists than on how you teach: privates, small online groups, home-practice programs, workshops or retreats.

Our pick is Coachful, because it puts the student record, booking, payments, agreements, between-class practice and the student's own branded app behind one login. We make Coachful, so weigh that, and read the limits we list for it as carefully as the strengths. The four other options are HoneyBook, Dubsado, Practice Better and HubSpot, each ranked on how well it serves a yoga teacher's client journey rather than a sales team's.

What does a yoga teacher actually need from a CRM?

A yoga teacher needs a CRM that remembers people, not just contacts: who they are, what their body is dealing with, what they have paid for, and whether they are practising. A customer relationship management system in the textbook sense tracks interactions and sales stages. Teaching yoga adds a layer most CRMs ignore.

Look at a typical independent teacher's week. A private client books a 1:1 on Tuesday morning and needs a reminder the night before. A small online group meets on Thursday evenings for a six-week Foundations series. Three people who took a free taster class last weekend are sitting in your inbox, unanswered. A student recovering from a shoulder niggle wants a short home sequence for the days between sessions. Somewhere there is a signed waiver, and a payment that failed last month.

Spread across a booking app, a spreadsheet, a notes app, a payment link and Instagram DMs, that week leaks students. The jobs a CRM must cover for this niche are:

  • Intake and screening. Experience level, injuries, pregnancy, medical conditions a doctor has flagged, and what the student wants from practice, stored on the record you open before class.
  • Agreements and waivers. Signed before the first session and easy to find later. Our yoga waiver template covers the wording.
  • Booking that fits how you sell. Single privates, packs of sessions, a fixed series, or a monthly program.
  • Payments tied to the person. So you can see that Priya paid for six sessions and has used four without opening another tool.
  • Between-class practice. Home sequences, breathing habits, short check-ins. This is where retention is won or lost.
  • Lead follow-up. Taster-class and workshop sign-ups that turn into regular students if someone replies within a day or two.

One scope line before the rankings. Yoga teaching, even therapeutic-leaning teaching, is not medical treatment. If a student reports chest pain, dizziness, numbness, a recent surgery, or a pregnancy complication, ask them to get clearance from their doctor or physiotherapist before continuing, and note that referral on their record. If you practise as a yoga therapist inside a clinical setting that handles protected health information, you need a system built for clinical records under rules such as HIPAA in the United States, and that changes which tools qualify.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

Which five questions should you answer before choosing?

Answer these five questions about your own practice first; your answers point to a pick more reliably than any comparison grid.

  1. Do your students practise between sessions, and do you want to see it? If you send home sequences, pranayama habits or weekly reflections, you need a tool with habits and check-ins, not just a calendar.
  2. How do students buy from you? Single drop-in privates, packs of five or ten sessions, a fixed-length series, a monthly program, or a mix. Some CRMs only do invoices; others handle subscriptions, payment plans and session credits.
  3. Where do new students come from, and who follows up? Instagram, a free taster class, a workshop at a local studio, or word of mouth. If leads arrive through forms, you want them landing in the same system that later holds the student record.
  4. What do you collect before the first session, and how sensitive is it? A basic health questionnaire and waiver suits a coaching-style CRM. Clinical intake and treatment notes do not.
  5. How many tools do you pay for now, and how much setup time do you have? A teacher already juggling a website builder, booking app, email tool and course platform saves more by consolidating than by finding the cheapest CRM.

Which CRM fits your answers?

Match your answers to the row that sounds most like your practice. Ranked on: one login for the whole student journey, between-class practice support, total stack cost, and setup effort (including Coachful's free white-glove build).

How did we choose and rank these tools?

We ranked tools on what they document doing for an independent teacher's student journey, not on how many features they list. We did not run hands-on trials for this article. The evidence is each vendor's own pricing and feature pages as listed in October 2026, plus what public reviewers report, with Trustpilot scores quoted as we saw them that month.

Each tool was scored against the five questions above. Tools that hold the student record, booking and payments together scored higher than tools that do one job well. Between-class practice (habits, check-ins, programs) carried real weight because that is how yoga students stay. Total cost was judged as the cost of the whole stack you would end up paying for, not the CRM line alone.

Some well-known names did not make the five. Keap lists a single plan at $299/mo plus a required one-time implementation package shown at $500 in October 2026, which is a lot of sales automation for a teacher with 20 students. GoHighLevel is built around agency sub-accounts and starts at $97/mo, with SMS and email usage metered on top. Studio management systems built for front-desk check-in, drop-in timetables and room capacity are a separate category; if you run a physical studio with staff, start there and treat this list as the layer for your private and online students. For the broader coaching view, see our best CRM for coaches roundup.

1. Coachful: the whole student journey behind one login

Coachful's habit tracker on a tablet resting on folded yoga blankets beside a bolster
Coachful's Growing Habits tracker, shown with demo habits, on a tablet beside yoga blankets and a bolster.

Coachful is a coaching platform where one membership covers booking, payments, agreements, multi-week programs with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The teacher works from one login; each student gets one app carrying the teacher's branding. It suits yoga teachers who deliver programs and ongoing private work, not only one-off classes, and teachers replacing four to six separate tools. It does not do clinical record-keeping, it is not HIPAA-certified, and it has no PayPal. You can start with a free trial and ask the team to build your setup through the free white-glove service.

What it holds for each student

Open a student and you see their goals, check-ins, habits, your notes, the intake answers they gave when booking, tags, payments and sessions on one record. Coachful also gives each client a status (thriving, active, quiet or at risk), so the student who has gone silent after week three shows up before they quietly drop off. Michelle, the built-in AI assistant, can brief you before a session from that live data: what the student logged, what they skipped, what they said in their last check-in.

For a yoga teacher, tags do the work a studio front desk would. Tag students as beginner, prenatal, back care or teacher-training, and filter your roster when you plan a workshop or send a broadcast. Intake questions on the booking page capture injuries, experience and goals before the first session, so they are already on the record when you open it.

Between-class practice that you can actually see

This is where Coachful differs most from a general CRM. You can build a multi-week program with weekly goals, daily tasks, habits, morning and evening check-ins, goal progress bars and streaks. A six-week Foundations series becomes six weeks of structure: a short home sequence as a daily task, a breathing habit, an evening check-in asking how the body felt. When students enroll in a program, Coachful creates a cohort group automatically, so a series group has its own space for questions.

Your own practice videos go into courses with modules, lessons, drip release and completion tracking, delivered into the student's branded home and app. Coachful has no stock exercise or pose library for yoga, so the videos are yours. The community feed, group chat, direct messages and video events cover live online classes and Q&A sessions.

Booking, packs and payments

Booking pages handle availability rules, buffers between sessions, minimum notice and time-zone detection for students abroad, with two-way Google, Apple/iCloud and Outlook calendar sync. Sessions can run on built-in video or auto-created Zoom, Meet or Teams links. Reminders go by email, plus SMS 24 hours and WhatsApp one hour before once messaging is enabled. Paid sessions and session credits cover class packs; one-time payments, subscriptions and payment plans cover series and monthly programs.

Payments run through your own Stripe Connect or Razorpay account, with Apple Pay, Google Pay, coupons, refunds and Stripe Tax. Coachful takes a 0% platform fee, so you pay only the processor. Coaching agreements with e-signature go out before the first session and are stored on the student record, which is where your waiver belongs. Here is how the client side comes together:

Turning taster-class sign-ups into students

Leads from booking, application, lead-magnet and checkout funnels land on the Prospects page with their source and stage, so a free-class sign-up and a workshop inquiry sit in the same list. Email lists, broadcasts and multi-step sequences with triggers, delays and branching handle the follow-up. The section-based website builder with blog and custom domain means the page where students find you feeds the same system. See our website builder guide for yoga teachers if the site is your starting point.

Where Coachful falls short for yoga teachers

  • Not HIPAA-certified and not for clinical records or insurance billing; yoga therapists in clinical settings need a clinical system.
  • No PayPal, and no permanent free plan.
  • No Garmin, Fitbit, Whoop or Oura sync, and no stock pose videos.
  • The student app runs under the Coachful listing with your branding, not under your own App Store account.
  • No multi-stage sales deal board for large teams, and no HubSpot or Salesforce integration.

Plans are flat monthly; lower plans cap the number of clients, Pro is unlimited, and team plans add coach seats for studios with several teachers (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Monthly plans cancel in one click.

Why Coachful stands out: a free white-glove service. From Create, the "We'll build it for you" card lets you describe what you want built, such as your website, a booking funnel for private sessions, a six-week series program or a welcome email sequence. You can attach up to 8 reference links and up to 10 files (logo, photos, existing copy; no videos). The Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not include filming your classes, logo design or ad management. One recent build: a menopause and midlife health coach starting from nothing got a five-page site in sage and cream with every button leading to a free 20-minute consultation. Read more about the white-glove build service.

2. HoneyBook: proposals and invoices for workshops and retreats

HoneyBook homepage introducing its client management platform for service businesses
HoneyBook's homepage in October 2026.

HoneyBook is a client-management CRM for service businesses, and for yoga teachers it fits the event side of the work best. If your income leans on retreats, corporate wellness contracts, private events and workshop bookings with venues, its proposals, contracts, invoices and client portal cover that paperwork in one flow.

Where HoneyBook earns its place

A corporate client wants a quote for eight lunchtime classes; a retreat guest needs a contract, a deposit and a payment schedule. HoneyBook handles that kind of booking well: a proposal becomes a signed contract and an invoice, and the client sees it all in a portal. Lead forms capture inquiries, and the scheduler books calls. Public reviewers rate it reasonably well: Trustpilot showed 4.1 from 748 reviews in October 2026.

What it charges

As listed in October 2026, Starter is $29/mo billed annually (the monthly price was not shown), Essentials is $59/mo or $49/mo annually, and Premium is $129/mo or $109/mo annually. All plans include unlimited clients and projects. The scheduler and automations are not on Starter, so a teacher who wants students booking sessions needs Essentials. There is a 30-day free trial with no credit card required.

Payments must run through HoneyBook's own processing. Its pricing page conflicts on card rates, showing 2.7% + 10¢ in the FAQ and 2.9% + 25¢ in the plan comparison; ACH is 1.5% and instant deposit 1%. Check the current figure before you commit, and note that HoneyBook raised prices in February 2025.

Gaps for a teaching practice

HoneyBook has no coaching delivery at all: no programs, habits, check-ins, courses or community. A student who buys a six-week series gets an invoice and a calendar invite, and everything they practise between sessions happens somewhere else. For a teacher whose core offer is ongoing privates or home-practice programs, you would add a course or membership tool on top. Our membership platforms for yoga teachers guide covers that layer.

Pick it over Coachful if most of your revenue is retreats, workshops and corporate contracts sold by proposal, and your students don't need a practice space between sessions.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

3. Dubsado: deep workflow automation for the admin side

Dubsado homepage introducing its client workflow and business management tool
Dubsado's homepage in October 2026.

Dubsado suits a teacher who loves systems. It is a client workflow CRM built around forms, contracts, invoices, a scheduler and automated workflows that fire one after another, and it lets you design those sequences in detail.

The workflow engine

Picture a new private student booking a first session. In Dubsado, that booking can trigger a health questionnaire, then the waiver, then an invoice, then a reminder, each step waiting on the one before. For a teacher who sends the same five documents to every new private client, that automation saves real time. Forms can carry the screening questions you need, and contracts handle the waiver signature.

Plans and trial

As listed in October 2026, Starter costs $35/mo ($27.92/mo billed annually) with unlimited clients and projects but only one active lead-capture form, and no scheduler or automations. Premier costs $55/mo ($43.75/mo annually) and adds unlimited lead forms, the scheduler and workflows. Realistically, a yoga teacher needs Premier. There is a 21-day trial with full Premier access and no credit card required. Dubsado states no platform fee on payments; processor rates apply, and you can optionally pass card costs to the client through surcharging.

What you would still need

Dubsado says itself that it does not build websites and is not an email marketing platform, so your newsletter and site stay elsewhere. There are no courses, client community, habits or check-ins, which means home practice lives in a separate tool. The mobile app is a companion, and full functionality needs the desktop web app. Public review data is thin: Trustpilot showed 3.7 from a single review in October 2026, too few to read anything into.

Pick it over Coachful if you already have a website, newsletter and course platform you're happy with, and the part you want to fix is the paperwork chain behind each new private student.

4. Practice Better: practitioner software for yoga therapists

Practice Better homepage introducing its practice management software for wellness practitioners
Practice Better's homepage in October 2026.

Practice Better is practice management for wellness and nutrition practitioners: scheduling, telehealth, charting, billing, programs and a client portal. Among yoga teachers it fits those working therapeutically, often alongside dietitians, naturopaths or physiotherapists, who want charting in the same tool as booking.

Built for practitioners, not studios

The appeal is the clinical-style workflow: notes structured like charts, telehealth sessions, and programs a client follows through the portal. A yoga therapist working with chronic back pain clients, for example, can keep session notes, book follow-ups and bill in one place. Public reviewers are mixed: Trustpilot showed 3.8 from 87 reviews in October 2026.

Practice Better pricing page with plan tiers
Practice Better's pricing page in October 2026.

Client caps by plan

As listed in October 2026, the free Sprout plan allows 3 clients and 100 MB of storage. Starter is $35/mo ($25/mo annually) for 10 clients; Professional is $69/mo ($59/mo annually) for 300 clients; Plus is $99/mo ($89/mo annually) for unlimited clients and 3 admins; Team is $155/mo ($145/mo annually) for two practitioners, with more at $50 each. Evergreen programs, portal branding, a custom URL and SMS start on Plus, so a teacher who wants self-paced home-practice programs under their own brand is really looking at $99/mo. Trials run 14 days on most paid plans and 30 days on Team. Payments run through Practice Better Payments, powered by Stripe; rates are not listed on the pricing page.

Trade-offs to weigh

Practice Better has no website builder or funnel pages, based on its older public profile, so lead capture happens elsewhere. It does not list habits, community or courses in the way a coaching platform does, and one practitioner per account is the rule below Team. If you are a group-class teacher with an online following rather than a therapist with a caseload, its strengths will mostly sit unused.

Pick it over Coachful if your work is therapeutic and you need practitioner-style charting and telehealth, or you share a practice with nutrition or wellness clinicians who already use it.

5. HubSpot: a free contact list with a sales engine attached

HubSpot homepage introducing its customer platform with free CRM tools
HubSpot's homepage in October 2026.

HubSpot is a general-purpose CRM and marketing suite, and its free tier is the reason yoga teachers look at it. You get contacts, deals, tasks, email tracking, forms, a meetings link and landing pages without paying anything, which is generous for a teacher still building a list.

A free contact database

As listed in October 2026, Free tools cover up to 2 users and 1,000 contacts, 2,000 email sends a month with HubSpot branding, one personal meetings link with HubSpot branding, up to 30 landing pages with branding, and one automated email action, with no time limit and no credit card. For collecting taster-class sign-ups and sending a monthly schedule email, that is enough.

When the price climbs

Starter is priced per seat: the standard Starter seat is $20/month, shown during a new-customer promotion at $10/mo monthly or $7/mo billed annually. Starter removes branding, adds 1,000 meetings links and more automation. Professional is $100/mo per seat ($90/mo annually) with a required onboarding fee. Payments through HubSpot Payments carry 2.9% on cards plus a HubSpot platform fee of 0.5% after the first year; Stripe processing inside HubSpot adds a 0.75% platform fee on top of Stripe's rate.

Why it feels heavy for one teacher

Everything in HubSpot is shaped around pipelines, deals and sales reps. There are no programs, habits, check-ins, courses or a student app, so the relationship after someone pays happens elsewhere. Public reviewers are harsh: Trustpilot showed 1.5 from 1,176 reviews in October 2026. If you want to keep a CRM habit without HubSpot, our guide to managing client CRM without HubSpot walks through it.

Pick it over Coachful if you only need a no-cost mailing list and booking link for now, and you deliver and take payment through tools you already own.

Which features does each CRM include?

The matrix below shows which jobs each tool covers for a yoga teacher, based on what vendors document as of October 2026.

What does each CRM cost at 5, 15 and 40 students?

Costs shift with your roster on some tools and stay flat on others. The table uses the plan a yoga teacher would realistically need, meaning one with booking included, on monthly billing as listed in October 2026.

Tool and plan5 students15 students40 studentsNotes
CoachfulLite: $29/month for up to 5 clientsSolo: $49/month for up to 20 clientsPro: $99/month with unlimited clientsIncludes website, email, programs and courses; 0% platform fee

HubSpot$0 (Free)$0 (Free)$0 (Free)Branded email and booking link; Starter $20/seat standard

The CRM line is only part of the bill. With HoneyBook, Dubsado or HubSpot, a teacher who runs home-practice programs still pays for a course or membership platform, and with Dubsado and Practice Better, a website and email tool as well. Add those subscriptions to each row before you compare. Our guides to course platforms for yoga teachers and scheduling software for yoga teachers list what those extra layers cost.

How would a yoga teacher set this up in Coachful?

Most of the work is deciding what you sell; with the white-glove build, the team handles much of the building. Here is an example for a teacher who offers private sessions, a six-week online Foundations series and a monthly home-practice program.

Coachful's sessions calendar on a laptop and the client coaching hub on a phone, next to yoga blocks and a strap
Coachful's monthly sessions calendar on the laptop and the client's coaching hub on the phone, both with demo data.
  1. Start the trial and request the build. From Create, ask the team for a website and a booking funnel, attaching your logo, photos and existing bio. Leave pricing for yourself; the team will not invent it.
  2. Set up the private-session booking page. Add your availability, a 15-minute buffer between sessions, minimum notice, and intake questions on injuries, pregnancy, practice experience and goals. Connect your Google, Apple or Outlook calendar.
  3. Attach your agreement. Upload your waiver and coaching agreement for e-signature before the first session. Start from our yoga waiver template and have a local lawyer review it.
  4. Create the offers. A pack of private sessions as session credits, the Foundations series as a one-time payment or payment plan, and the home-practice program as a subscription, all through your Stripe account. To set prices, work out the hours each offer takes you, including prep and messages, and price from your target hourly income rather than copying a local studio's drop-in rate.
  5. Build the Foundations program. Six weeks, each with a weekly goal (for example, "steady breath in standing poses"), daily tasks linking to your own short practice videos, a breathing habit, and an evening check-in asking how the body felt. Enrollment creates the cohort group for the series automatically.
  6. Add a lead magnet. A funnel offering a free 10-minute morning sequence, followed by an email sequence inviting people to a taster session.
  7. Tag and review weekly. Tag students (beginner, prenatal, back care), add notes after each private, and check the at-risk and quiet statuses every Monday so nobody drifts away unnoticed.

If you also want group classes online, our video conferencing guide for yoga teachers covers the live-class side, and the group coaching software page shows how cohorts work.

What red flags and switching costs should you watch for?

The expensive mistakes with a yoga CRM usually come from data you can't move and features that sit one tier higher than you expected.

  • Health information in the wrong place. A basic screening questionnaire is fine in a coaching CRM. Clinical assessments and treatment notes are not; if you work as a yoga therapist in a clinical context, choose a clinical system. In Europe, health data also falls under special-category rules in the GDPR, so collect only what you need.
  • Payments tied to the vendor's processor. HoneyBook requires its own processing. Recurring student payments often cannot move to a new processor without students re-entering card details, which is a real switching cost for monthly programs.
  • The scheduler on a higher tier. HoneyBook Starter and Dubsado Starter both leave out the scheduler, so the advertised entry price is not the price for a teacher who takes bookings.
  • Client caps that bite at the wrong moment. Practice Better's Starter covers 10 clients; a successful workshop can push you over in a weekend.
  • Per-seat creep. HubSpot prices by seat, so adding a co-teacher or assistant raises the bill each time.
  • No clean export. Before you commit, check that you can export the roster, notes and history. Coachful exports full client data as a ZIP, including roster, notes, check-ins, goals, habits, sessions and form responses.

Switching is easier than most teachers fear, as long as you plan the cutover: move the roster first, then active packages, then recurring payments, and run both systems for one billing cycle. Coachful imports clients, programs and content for you during onboarding. Our CRM consolidation guide walks through the order step by step.

Verdict: what is the best CRM for yoga teachers?

For most independent yoga teachers, Coachful is the best CRM because it keeps intake, booking, payments, waivers and between-class practice on the same student record, and the student sees all of it in one branded app. HoneyBook is the better fit for a teacher whose income is mostly retreats and corporate contracts. Dubsado suits teachers who want automated paperwork and already own the rest of their stack. Practice Better belongs to yoga therapists who need charting and telehealth. HubSpot is a reasonable free contact list for a teacher not yet ready to pay for anything, as long as you accept that it was built for sales teams.

If your answers to the five questions leaned toward home practice, ongoing privates and fewer tools, start with Coachful and ask the team to build your site and first program.

Frequently asked questions

Do yoga teachers really need a CRM?

Once you teach more than a handful of private students or run a paid series, yes. A CRM stops intake answers, payments and follow-ups from scattering across apps, and makes it obvious who has gone quiet. A spreadsheet works until the first missed renewal.

Is a CRM different from yoga studio software?

Yes. Studio software focuses on drop-in timetables, front-desk check-in and room capacity. A CRM for yoga teachers focuses on the relationship with each student: intake, notes, packages, practice and follow-up. Teachers with a physical studio sometimes use both.

Can I store health questionnaires in a yoga CRM?

A basic screening questionnaire and waiver are fine in a coaching-style CRM. Coachful is not HIPAA-certified, so clinical records and treatment notes belong in a clinical system. When a student reports red-flag symptoms, refer them to a doctor or physiotherapist and note the referral.

Can students buy class packs in Coachful?

Yes. Coachful supports paid sessions and session credits, so a pack of private sessions works as credits the student books against. Series and programs can be sold as one-time payments, payment plans or subscriptions through your Stripe or Razorpay account.

Does Coachful work for online group classes?

Coachful runs group calls, video events and webinars, and creates a cohort group automatically when students enroll in a program. That suits online series and small groups. Our community platforms for yoga teachers guide compares other options for group spaces.

What is Coachful's free white-glove service?

It is a build service included on every plan: you describe what you want, such as a website, booking funnel, program or email sequence, and attach links and files. The Coachful team builds it inside your account, usually within about 24 hours, without inventing credentials, testimonials or prices. Filming videos, logo design and ad management are not included.

Is HubSpot's free CRM enough for a yoga teacher?

For collecting sign-ups and sending a schedule email, it can be. It has no programs, habits, check-ins or student app, and the free booking link and emails carry HubSpot branding. Most teachers outgrow it once students start paying for ongoing work.

Can I use PayPal with Coachful?

No. Coachful takes payments through your own Stripe Connect or Razorpay account, including Apple Pay and Google Pay. If PayPal is essential for your students, check that before you switch.

How hard is it to move my students from another tool?

Coachful imports clients, programs and content for you during onboarding. The part that needs planning is recurring payments, which may require students to re-enter card details with a new processor. Running both systems for one billing cycle avoids gaps.
