Best Scheduling Software for Health Coaches in 2026

Best Scheduling Software for Health Coaches in 2026

Before you compare scheduling software for health coaches, answer one question honestly: does your work need HIPAA? If you work under a clinician, take referrals from a medical practice or store anything that counts as protected health information in the US, your shortlist is decided for you, and it is short.

Most health coaches are not in that position. They coach habits, food, sleep, stress and movement, outside a clinical setting, and for them the decision is about something else: getting a useful health history before the first call, running follow-ups over three or six months without tracking sessions by hand, and giving the client something to do in the two weeks between appointments. We compared seven tools on both paths.

Coachful ranks first for health coaches who do not need HIPAA, and its team will build your health coaching website and booking pages for free on any plan. If you do need HIPAA, we name the tools to pick instead, without hedging.

Start with the HIPAA question

This is the fork in the road, so take it first.

  • You need HIPAA. Look at Practice Better, Healthie or Acuity Scheduling's Premium plan, which includes a HIPAA BAA, as listed in October 2026. Coachful is not HIPAA-certified, and neither is Paperbell.
  • You do not. You have the full field. The rest of this guide is mostly for you. If you are unsure, our piece on when a health coach needs a second app walks through the chronic-condition cases.

Either way, keep your intake form to what you actually use. Asking for a full medical history you never read is a liability, not a service.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

What health coaching sessions need from a scheduler

  1. A longer first session of 60 to 90 minutes with a health-history and goals form completed before it, plus a consent notice.
  2. Follow-ups of 30 to 45 minutes, usually every week or two, inside a package. The client books against credits, not a fresh payment.
  3. Prep before each follow-up: a short check-in on energy, sleep, food and stress, so the session starts with data instead of "so, how's it going?"
  4. Work between sessions: habits, food logging or meal plans, and a way to message you.
  5. Reminders that actually get read, which for many clients means a text.

1. Coachful: best scheduling software for health coaches

Coachful is a coaching platform that books the session and then carries the client through the weeks around it. For health coaching, that second part is most of the job.

Before the first call

Add your own intake questions to the booking, require a consent notice and attach a worksheet the client must finish first, such as a health history and goals form. The answers are saved on the client record before you meet. A first consultation can be its own session type with a longer length, its own hours and a longer minimum notice than your follow-ups.

Follow-ups that run themselves

  • Sell a three- or six-month package with a session allowance. Clients book against their credits, and you can see paid sessions nobody has booked yet.
  • Attach a short check-in to each follow-up so it arrives completed before the call.
  • Two-way sync with Google, Outlook and Apple Calendar, buffers between calls and a conflict check when the client books.
  • Email reminders, plus a text at 24 hours and WhatsApp at 1 hour once messaging is enabled. Each session can set text, WhatsApp and email reminders to on, off or the workspace default.
  • Built-in video, or automatic Zoom, Google Meet or Teams links. In-person sessions can carry an address.

Between sessions

Clients get daily habits with streaks, morning and evening check-ins, and your messages in the iPhone and Android app. The Fitness & Nutrition power-up adds nutrition targets up to calories and macros, meal plans, recipes, food lookup by barcode or name, and private progress photos and measurements. It is a coaching tool, not a medical record, and Coachful does not sync with Apple Health or wearables.

Why Coachful stands out: a free white-glove service. On every Coachful plan, our team will build your website, booking funnel, offers or a program inside your own account, usually within about 24 hours of your request. One recent request came from a menopause and midlife health coach starting from nothing, with no site, logo or prices: we built a five-page site in sage and cream with every button leading to a free 20-minute consultation booking. Read how the free white-glove service works.

Where it falls short

  • Not HIPAA-certified. If you need a BAA, use one of the tools named above.
  • No wearable or Apple Health sync, and no insurance billing.
  • No free plan, and entry plans cap the number of clients.

Pick it when: you coach outside a clinical setting and want the booking, the intake, the follow-up package and the daily habits in one app. More on Coachful for health coaches.

2. Acuity Scheduling: best for intake forms and an optional BAA

Acuity is a long-running appointment scheduler, owned by Squarespace, used widely by wellness practitioners.

What stands out. Custom intake forms per appointment type on every plan, starting at $20 a month ($16 annually). Standard at $34 adds text reminders and packages; Premium at $61 adds a HIPAA BAA, with some conveniences switched off when HIPAA mode is on. Payments run through your own Stripe, Square, PayPal or Venmo. Capterra rates it 4.8 from 5,758 reviews.

Where it falls short for health coaches. No programs, habits or check-ins between sessions, email-only support, and an admin interface reviewers describe as dated.

Pick it over Coachful when: you need a HIPAA BAA on your scheduler but want to keep everything else simple.

3. Calendly: best free link for consultations

Calendly is the easiest way to put a free consultation online, and many health coaches start there.

Calendly's homepage in October 2026.

What stands out. A free plan with one event type and one calendar connection. Standard at $10 per seat a month adds unlimited event types, SMS reminders through workflows and Stripe or PayPal payments.

Where it falls short for health coaches. Intake is limited to booking questions, there is no client portal, and no HIPAA BAA is advertised on standard plans.

Pick it over Coachful when: you only need a consultation link and you deliver your coaching somewhere else.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

4. Practice Better: best for practitioners who need HIPAA

Practice Better calls itself all-in-one practice management software and says on its homepage that it is trusted by over 50,000 practitioners. It is built for dietitians, nutritionists and wellness practitioners, and the homepage lists HIPAA, PIPEDA and GDPR compliance.

Practice Better's homepage in October 2026.

What stands out. Compliance paperwork is part of the pitch, which matters if you work alongside clinicians or in Canada. Practice Better is not in our pricing research, so we have not listed a price or plan limits.

Where it falls short for health coaches. It is designed around clinical practice, which can feel heavier than a coaching practice needs. We could not verify how its booking handles package credits.

Pick it over Coachful when: HIPAA or PIPEDA compliance is a requirement.

5. Healthie: best for clinical-style health businesses

Healthie describes itself as practice management for health and wellness providers, with an AI-powered platform, and its homepage says it is trusted by 40,000 providers and high-growth businesses.

Healthie homepage with the headline Practice management, reimagined and a meeting confirmation card
Healthie's homepage in October 2026.

What stands out. A platform aimed at providers and growing health companies rather than solo coaches, with scheduling and telehealth as part of a broader system. It is not in our pricing research, so we have not listed a price.

Where it falls short for health coaches. We could not verify which compliance and booking features sit on which plan, and a provider platform may be more than a coaching practice needs.

Pick it over Coachful when: you run a health business with clinical staff and need a system built for providers.

6. Paperbell: best flat price for 1:1 packages

Paperbell sells a coaching package, signs the contract, takes payment and books the session in one checkout.

Paperbell's homepage in October 2026.

What stands out. One plan at $57 a month or $570 a year with unlimited clients and a 0% platform fee. Intake forms, exit surveys and post-appointment surveys are included.

Where it falls short for health coaches. No habit tracking or daily check-ins, no native app, and its own FAQ says it is not HIPAA compliant.

Pick it over Coachful when: you coach 1:1 with simple packages and want unlimited clients at one flat price.

7. Setmore: best simple booking page

Setmore's homepage calls it free scheduling software and promises 24/7 automated online booking, reminders and payments.

Setmore homepage with the headline Free scheduling software and a phone showing a booking calendar
Setmore's homepage in October 2026.

What stands out. A quick way to get a booking page online. Setmore is not in our pricing research, so we have not listed what the free tier includes.

Where it falls short for health coaches. It is a general appointment tool with no coaching features, and we could not verify its compliance status.

Pick it over Coachful when: you need a basic booking page today and nothing else.

A 12-week health coaching calendar, set up once

Here is a structure that works for a typical three-month package. The point is that you set it up once and the software runs it.

Frequently asked questions

What is the best scheduling software for health coaches?

For health coaches who do not need HIPAA, Coachful is our top pick: intake questions and a required health-history worksheet before the first call, follow-up packages with session credits, text and WhatsApp reminders, and habits, check-ins and nutrition tools between sessions. If you need HIPAA, choose Practice Better, Healthie or Acuity Scheduling's Premium plan.

Is Coachful HIPAA compliant?

No. Coachful is GDPR-ready with full data export but is not HIPAA-certified. Health coaches who need a business associate agreement should use a tool that offers one, such as Acuity Scheduling's Premium plan, which included a HIPAA BAA as listed in October 2026.

Can clients fill out a health history form before they book?

Yes. In Coachful, add intake questions to the booking form, require a consent notice and attach a worksheet that must be finished before the session. Answers are saved on the client record. Acuity also offers custom intake forms per appointment type on every plan.

What is the best scheduling app for a solo health coach running 3-month packages?

Look for package credits spent at booking, a check-in before each follow-up and reminders by text. Coachful does all three and adds daily habits in the client app. Paperbell is the flat-price alternative for simple 1:1 packages at $97 a month, as listed in October 2026.

Do health coaching clients get text reminders?

In Coachful, yes, once messaging is enabled: a text 24 hours before and a WhatsApp message 1 hour before, alongside email. Each session can switch text, WhatsApp and email reminders on or off, and client consent still applies. Acuity includes text reminders from its Standard plan.

Can Coachful build my health coaching website and booking page for free?

Yes. The white-glove service is free on every Coachful plan. Tell the team which pages you want, that visitors should book a free consultation, and attach your copy and photos. They build it in your account, usually within about 24 hours. They do not invent credentials, testimonials or prices.

Does Coachful sync with Apple Health or fitness wearables?

No. Coachful does not sync with Apple Health, Health Connect or wearables. Clients log habits, check-ins, food and measurements in the Coachful app instead. Calendar sync with Apple Calendar through iCloud is supported for scheduling.
