Best Scheduling Software for Personal Trainers in 2026

Best Scheduling Software for Personal Trainers in 2026

Personal trainers have a scheduling problem that desk-based coaches never think about: geography. A 7am session at the gym, a 9am in a client's garage across town, an online check-in at lunch and a small-group class at 6pm do not fit on a calendar that assumes every hour is interchangeable. The best scheduling software for personal trainers understands locations, travel time, recurring slots and the packs your clients pay for upfront.

We compared seven tools on that reality, from studio software to online training apps. Coachful comes first because it books in-person and online sessions against packs and passes, and then delivers the training in the same app. It also comes with a free white-glove service: our team will build your trainer website and booking pages for you, on any plan.

If you train online only and mostly need a programming app, our roundup of the best fitness coaching software is the better starting point.

Why trainers schedule differently

  • Locations and travel. In-person sessions need an address, and you need a buffer after a session across town that you would never want after an online one.
  • Recurring slots. Many clients train at the same time every week. Rebooking them by hand every Sunday is a waste of a Sunday.
  • Packs, not single sessions. Ten-session and twenty-session packs are the norm, and so is the late cancellation that should use up a session.
  • Classes with a cap. Small-group sessions need a headcount limit and, often, a class pass that covers several visits.
  • The work between sessions. A workout plan, logged sets and nutrition targets keep a client paying between appointments.

How we ranked scheduling software for personal trainers

1. Coachful: best scheduling software for personal trainers

Coachful is a coaching platform with booking, payments and a Fitness & Nutrition power-up in one app. For a hybrid trainer, the useful part is that the in-person session, the online check-in and the workout the client does on Thursday all live in the same place.

Sessions in the real world and online

  • A location per session type. In-person sessions carry an address. Online ones use built-in video or an automatic Zoom, Google Meet or Teams link, and phone sessions are an option too.
  • Buffers before and after sessions, applied around your calendar events too, so a client cannot book the slot you need to drive between gyms. Each session type can override your hours, buffers, minimum notice and booking window.
  • Recurring sessions. Schedule a client's standing weekly slot as a series instead of rebooking it.
  • Two-way calendar sync with Google, Outlook and Apple Calendar, and a conflict check at the moment of booking.
  • Reminders by email, plus a text at 24 hours and WhatsApp at 1 hour once messaging is switched on.

Packs, passes and late cancellations

Sell a pack of sessions and clients book against their credits. Each session type sets its cancellation rule: credits can follow attendance, or a cancellation window (24 hours by default, adjustable) after which a cancelled session uses up the credit. Analytics show attendance, no-shows and unscheduled credits, the sessions people have paid for and not booked, which is your list of clients to nudge.

Sample analytics in demo mode: attendance, no-shows, cancellations and unscheduled credits, meaning paid sessions nobody has booked yet.

For small groups, run the class as a group session with a headcount and paid tickets. A prepaid pass can hold a number of admissions to eligible events, so a ten-class pass works the way your clients expect, and passes can be gifted. Built-in group rooms hold up to 30 people.

Training between sessions

The Fitness & Nutrition power-up adds a workout builder with an exercise library (supersets, circuits, AMRAP, EMOM and intervals), client workout logging with set history, nutrition targets up to calories and macros, meal plans, recipes, food lookup, and private progress photos and measurements. Coachful does not sync with wearables or Apple Health; clients log in the app.

Why Coachful stands out: a free white-glove service. On every Coachful plan, the Coachful team will build your website, a booking funnel, your packs and offers, or a training program inside your own account, usually within about 24 hours of your request. You ask from Create, then "We'll build it for you · FREE", attach your logo, photos and price list, and the team replies by email. Read what the free white-glove service builds.

Where it falls short

  • No late-cancellation or no-show fee charged to a card. A late cancel uses up a pack credit under your cancellation window instead.
  • No wearable or Apple Health sync, and no point-of-sale hardware for the front desk.
  • No free plan; entry plans cap the number of clients.

Pick it when: you train people in person and online, sell packs and want their workouts, logs and bookings in one app. More on Coachful for fitness coaches.

2. Mindbody: best for studios and gyms

Mindbody is business management software for studios, gyms and wellness businesses. Its homepage also points consumers to the Mindbody app, where people find and book businesses.

Mindbody homepage with the headline Built to run your business, so it doesn't run you and a link for consumers to book on the Mindbody app
Mindbody's homepage in October 2026.

What stands out. Built for front-desk operations: class and appointment scheduling, memberships and payments for a business with staff and a room full of equipment. The consumer app can bring you new clients. Mindbody is not in our pricing research, so we have not listed a price; it asks businesses to get a demo.

Where it falls short for personal trainers. For a solo trainer it is a lot of system, and we could not verify programming or workout delivery features on its public pages.

Pick it over Coachful when: you run a studio with classes, staff and walk-ins.

3. Trainerize: best all-in-one fitness app

Trainerize, owned by ABC Fitness, is one of the best-known online training apps, with scheduling built in.

Trainerize homepage with the headline The #1 coaching app to better engage your clients and a phone showing a meal planner
Trainerize's homepage in October 2026.

What stands out. A calendar with client self-booking for appointments and classes, a deep program and template library, habits with streaks, groups and challenges. Pricing follows clients: free for 1 client, $10 a month for 2, $25 for 5, $50 for 15, $79 for 30 and $135 for 50. Capterra rates it 4.6 from 694 reviews.

Where it falls short for personal trainers. Payments need a $10 a month Stripe add-on on Grow and Pro plans, live video classes another $10, and some nutrition features are add-ons. Google Calendar sync is one-way, according to one independent review, and Trustpilot sits at 3.2.

Pick it over Coachful when: you want the biggest exercise and template library and run multi-location teams on its studio tiers.

4. Acuity Scheduling: best booking-only setup

Acuity is an appointment scheduler with classes, packages and gift certificates, used by many trainers who keep programming elsewhere.

What stands out. Classes with capacity, recurring bookings, packages, memberships and gift certificates from Standard at $34 a month, with text reminders. Payments through your own Stripe, Square, PayPal or Venmo, and tips at checkout.

Where it falls short for personal trainers. Nothing between sessions: no workouts, logging or nutrition. No free plan.

Pick it over Coachful when: you need dependable booking with gift certificates and already deliver programming in another app.

5. Calendly: best free consultation link

Calendly is a general scheduler. For trainers it is usually the free consultation link before someone buys a pack.

Calendly's homepage in October 2026.

What stands out. Free for one event type and one calendar, with group event types that let several people book one slot. Standard is $10 per seat a month.

Where it falls short for personal trainers. Meeting packages were partly in private beta when we checked, there is no class pass, and nothing happens after the booking.

Pick it over Coachful when: you need a free consult link today and sell your packs in person.

6. Everfit: best for online programming

Everfit pitches itself as the all-in-one platform for fitness coaches, with training delivery at its core.

Everfit's homepage in October 2026.

What stands out. A platform focused on online coaching and programming for fitness coaches. Everfit is not in our pricing research, so we have not listed a price.

Where it falls short for personal trainers. We could not verify client self-booking for in-person sessions, packs or class passes on its public pages, so check before you rely on it for scheduling.

Pick it over Coachful when: your clients are all online and programming matters far more than booking.

7. TrueCoach: best for programming, with booking elsewhere

TrueCoach, owned by Xplor, is a programming-first app for online strength coaches.

TrueCoach homepage with the headline #1 Platform Built For Personal Trainers and a trainer holding a phone
TrueCoach's homepage in October 2026.

What stands out. A fast drag-and-drop workout builder, a 3,500-plus exercise video library and a client app rated 4.9 from about 35,000 App Store ratings. Recurring Stripe payments are included on every tier for coaches in the US, UK, Canada and Australia. Starter is $29.98 a month for 5 clients.

Where it falls short for personal trainers. Scheduling is a workout calendar; we found no appointment booking, no video calls and no class passes. The coach app is rated around 1.8.

Pick it over Coachful when: you coach online only, program from a desktop and book any calls in a separate tool.

Setting up packs and classes once

Whatever tool you use, the setup that saves trainers the most time looks like this:

  1. One session type per location. "Gym session", "Home visit" and "Online check-in", each with its own address or video link, length and buffer. Home visits get the longest buffer.
  2. Packs with a clear cancellation rule. For example, 10 sessions used within 12 weeks, and a cancellation inside 24 hours uses the session. Put the same rule in your agreement.
  3. Standing slots as a series. Book weekly regulars as recurring sessions so their spot is held.
  4. Classes with a cap and a pass. A group session with a headcount, and a pass with a set number of admissions.
  5. A weekly nudge list. Look at clients with unscheduled credits every Monday and message them. It is the cheapest retention you will ever do.

Frequently asked questions

What is the best scheduling software for personal trainers?

Coachful is our first choice for trainers who work in person and online and sell packs: each session type has its own address or video link, packs are spent as credits, class passes hold admissions, and workouts and nutrition live in the same client app. Mindbody suits studios with staff, and Trainerize suits trainers who want a fitness-only app.

How do I add travel time between in-person training sessions?

Use buffers. In Coachful you set a buffer between sessions, and each session type can override it, so home visits get a longer buffer than online check-ins. Buffers apply around busy events on your connected Google, Outlook or Apple calendar too.

Can clients buy a 10-session pack and book against it?

Yes. In Coachful the pack becomes session credits that the client spends at booking. You choose whether credits follow attendance or a cancellation window, after which a late cancel uses the credit. Acuity also sells packages from its Standard plan at $34 a month, as listed in October 2026.

What is the best booking app for a personal trainer who runs small-group classes?

Look for a headcount cap, paid tickets and a pass with several admissions. Coachful runs group sessions with capacity and prepaid passes, and its built-in group rooms hold up to 30 people for online classes. Mindbody and Trainerize also handle classes, and Acuity offers classes with capacity.

Can I charge a late cancellation fee with Coachful?

Not as a card charge. Coachful does not collect late-cancellation or no-show fees. Instead, a session type can use a cancellation window, so a late cancellation uses up the client's pack credit, and you can put the policy in your agreement. Our guide to preventing no-shows covers the wording.

Will Coachful build my personal trainer website and booking pages for free?

Yes. The white-glove service is free on every Coachful plan. Tell the team what to build, for example a homepage, a services page and a free consultation booking, and attach your photos and price list. They build it inside your account, usually within about 24 hours, and you can change anything afterwards.

Does Coachful sync with fitness wearables?

No. Coachful does not sync with wearables, Apple Health or Health Connect. Clients log workouts, sets, food and measurements in the Coachful app. If wearable data is essential, Trainerize lists broad wearable coverage, as listed in October 2026.
