Best Software for Reiki Practitioners: 7 Options Ranked

Best Software for Reiki Practitioners: 7 Options Ranked

The best software for Reiki practitioners is the one that matches how your practice actually earns: single sessions booked one at a time, session packages, distance Reiki over video, Reiki classes and attunements, or some mix of all four. Before comparing logos, decide one thing: do you need a booking tool, or do you need a place where clients stay connected to you between treatments? That single question separates the cheap answers from the right one.

For most practitioners who want more than a calendar, our pick is Coachful. It puts booking, payments, intake questions, agreements, distance sessions over built-in video, between-session practices, Reiki classes as courses, a community and your website under one login, with one branded app for your clients. We make Coachful, so weigh our ranking with that in mind; this guide states what each vendor documents and what public reviewers report, and it says plainly where another tool is the better fit.

Below you will find a five-question checklist, a table that maps your answers to a pick, seven ranked tools, a cost comparison at 5, 15 and 40 clients, and the red flags that make switching later expensive.

What does a Reiki practice need from software?

A Reiki practice needs four things from software: easy booking with reminders, simple payment for single sessions and packages, a private record of each client, and a way to deliver classes if you teach. Everything else is a bonus that either saves you time or adds a tool to your monthly bill.

Think about the real week of a Reiki practitioner. A new client finds you through a friend or Instagram, reads your About page, and books a first 60-minute session. Before they arrive, you want to know why they came, whether they are pregnant or recovering from surgery, and whether they are under a doctor's care. After the session, many practitioners suggest a short self-care practice, a breathing exercise or a self-Reiki routine if the client is attuned. Some clients come back monthly. Others buy a pack of three sessions. A growing number book distance Reiki, which means a video link and a calendar that handles time zones. And if you are a Reiki Master teacher, you also run Level 1, Level 2 and Master classes, with manuals, practice logs and a group of students who want somewhere to ask questions.

Most practices start with a patchwork: a scheduling link, a payment app, a Google Form for intake, email for the manual, a Facebook group for students, and a separate website builder. Each piece is cheap. Together they cost money, time and the client's trust, because every hand-off is a new login or a lost email.

Scope: Reiki is complementary, not treatment

Your software choices should respect the scope of the work. The US National Center for Complementary and Integrative Health describes Reiki as a complementary health approach and notes that it has not been clearly shown to be effective for any health-related purpose, while also reporting no harmful effects. In practice that means your intake form should ask about medical care without diagnosing, your booking copy should not promise outcomes, and you should encourage clients to keep seeing their doctor or therapist. If a client describes new or worsening symptoms, thoughts of self-harm, or stops prescribed treatment, refer them to a licensed professional and say so in writing.

It also shapes where records belong. Reiki practitioners are usually not covered entities under the US HIPAA rules, but if you also work as a nurse, massage therapist or counselor and keep clinical notes, those notes belong in software built for clinical records. Rules vary by country and state, so check with an attorney if you are unsure which category you fall into.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

Which 5 questions decide your Reiki software?

Answer these five questions about your own practice before you look at any feature list. Your answers point straight to one or two tools, and they stop you paying for features you will never switch on.

  1. Do clients come once, or do they come back? If most clients book a single session and disappear, a booking tool is enough. If they return monthly, buy packages or follow a self-care practice between visits, you need client records and a client portal.
  2. Do you teach Reiki classes or attunements? Teaching adds courses, downloadable manuals, cohort groups and sometimes a community. A booking tool will not cover it.
  3. How much of your work is distance Reiki? Distance sessions need automatic video links, time-zone detection and reminders that reach clients abroad.
  4. Do you keep clinical notes for another licensed role? If yes, you need a platform that signs a HIPAA business associate agreement or the equivalent where you live, and it should be separate from your marketing tools.
  5. How many tools are you willing to manage? A website, email list, booking page, payment app and course host add up. Count what you pay today and how many logins your clients juggle.

Which tool fits your answers?

Use this table to match your answers to a starting pick. Where two answers apply, follow the one that describes most of your income.

How did we rank these 7 tools?

We pictured a realistic practice: one practitioner with 15 active clients, a mix of in-person and distance sessions, a three-session package, and one small Level 1 class each quarter. Each tool was judged on what its vendor documents and what public reviewers report, not on hands-on testing.

Ranking criteria: one login for the whole client journey, support between sessions, total stack cost once you add the tools each option lacks, and setup effort (including whether someone will build it for you).

1. Coachful: why is it the best overall pick for Reiki practitioners?

A tablet showing a client's coaching hub with the next session and pre-session tasks, resting on a linen-draped treatment table
Coachful's client hub, with the next session and the tasks to finish before it, on a tablet beside a quartz bowl.

Coachful is the best overall pick because it covers the whole relationship with a Reiki client, from first booking to the practice they follow between sessions, in one place. Clients book, pay, sign your agreement, join a distance session and open their self-care practice inside one branded app, and you see all of it on one client record.

Coachful is a coaching platform built for practitioners who deliver programs, not just sessions. One subscription covers booking, payments, agreements, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and Michelle, a built-in AI assistant. It suits a solo practitioner replacing four to six tools, and it grows with you if you later add another practitioner. The company is based in Tallinn, Estonia, and holds a Trustpilot rating of 4.5 from 21 reviews (seen October 2026).

Booking, distance sessions and session packs

Booking pages include availability rules, buffers between sessions (useful for resetting a treatment room), minimum notice and automatic time-zone detection, which matters for distance Reiki clients in other countries. Calendars sync both ways with Google, Apple/iCloud and Outlook. Each session can run on built-in video or auto-create a Zoom, Google Meet or Teams link. Clients get email reminders, plus SMS 24 hours ahead and WhatsApp one hour ahead once messaging is enabled. You can charge per session or sell session credits, which is how a three-session package works, and you can ask intake questions at booking.

Payments, agreements and intake

Payments run through your own Stripe Connect or Razorpay account: one-time payments, subscriptions for a monthly maintenance session, payment plans for a Master-level course, coupons, refunds, Apple Pay and Google Pay. Coachful has charged a 0% platform fee since August 2026, so you pay only Stripe or Razorpay processing. Each transaction produces an invoice, and you can send manual ones.

Agreements with e-signature go out before the first session and are stored on the client record. For Reiki that is where your informed-consent wording lives: what Reiki is, that it does not replace medical care, how touch or hands-off work is handled, and your cancellation policy. Our coaching contracts page covers the mechanics.

Between-session practice and the client record

This is where Coachful differs from every booking tool on this list. You can build a multi-week program with daily tasks, habits and morning and evening check-ins, so a client who wants a 21-day self-Reiki routine after attunement gets a checklist, a streak and a gentle evening check-in. The client record gathers goals, check-ins, habits, notes, intake answers, tags, payments and sessions, and labels each client as thriving, active, quiet or at risk. A quiet client is often one who would welcome a follow-up message.

Michelle, the built-in AI assistant, works from your live practice data. She can brief you before a session, draft a follow-up email or outline a program; questions and planning are included in your Coachful membership, while confirmed builds and changes use AI credits.

Reiki classes, students and community

Teachers can turn a Reiki Level 1 class into a course with modules, lessons, drip release and completion tracking, add the manual as a download, and run the live attunement or practice circle as a video event. When a student enrolls in a program, Coachful creates a cohort group automatically, and the community feed, group chat and direct messages give students one place to ask questions instead of a separate social group. See our pages on the course platform and group coaching software for more.

Website, funnels and email

The section-based website builder has 30 designed homepage templates, a blog, SEO settings and a custom domain, and it can import an existing site. Funnels cover booking, applications, lead magnets and checkout, with Meta Pixel and UTM tracking. Email lists, broadcasts and multi-step sequences let you send a welcome series after a first session or a reminder before the next class.

This short walkthrough shows how a client moves from first contact to an ongoing program in Coachful:

Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you" and describe what you need: a website, a booking funnel, a sales page for your Level 1 class, a 21-day self-care program, an intake form or an email sequence. You can attach up to 8 reference links and up to 10 files such as your logo, photos and existing copy. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. A recent example: a somatic coach leaving Kajabi had the homepage and About page rebuilt and the contact form connected. The service does not cover recording videos, logo design, ad management or ongoing marketing. Read more about the free white-glove service.

What Coachful does not do

  • It is not HIPAA-certified and offers no BAA, so it is not for clinical record-keeping or insurance billing.
  • No PayPal and no permanent free plan; there is a free trial.
  • Your client app runs under the Coachful listing with your branding, not under your own App Store account.
  • No routing forms that pick a practitioner from form answers, and no third-party plugins.
  • Certificates for Reiki students are not among its documented features, so plan to send them as a PDF download.

Price: flat monthly plans; lower plans cap the number of clients, Pro is unlimited, and monthly plans cancel in one click (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). 2. Acuity Scheduling: is a booking tool enough?

For a practice where clients book single in-person sessions and rarely need anything between visits, a strong booking tool like Acuity Scheduling is enough. It is owned by Squarespace.

Acuity Scheduling's homepage in October 2026.

Strengths for session-based healers

Acuity documents intake forms attached to booking, packages and memberships, and payments through your own Stripe, Square, PayPal or Venmo account at their processor rates, with no Acuity fee mentioned. That covers a three-session package and a monthly membership. A HIPAA BAA is available on the Premium plan, which matters if you also practise in a licensed clinical role.

Price as listed

As listed in October 2026: Starter $20/mo ($16/mo annual) for 1 calendar; Standard $34/mo ($27/mo annual) for up to 6 calendars; Premium $69/mo ($55/mo annual) for up to 36 calendars; Enterprise on request. A 7-day free trial runs on every plan with no credit card. Text reminders start on Standard. Trustpilot shows 3.6 from 687 reviews (seen October 2026).

Gaps to know

There is no client portal for programs, habits, check-ins or messaging, and no courses, community, website builder or email marketing. A Reiki teacher would still need a course host, a group space and a site.

Pick it over Coachful if your practice is in-person single sessions, you never teach, and you also need a HIPAA BAA for a clinical side of your work.

3. Kajabi: does a Reiki teacher need a course platform?

A Reiki teacher with a large online audience may need a dedicated course platform, and Kajabi is the most established of those built for selling knowledge products. It bundles courses, a community, a website, funnels and email.

Kajabi homepage introducing its platform for courses, communities and websites
Kajabi's homepage in October 2026.

Where it shines

Kajabi suits a teacher who sells recorded Reiki Level 1 and Level 2 courses to hundreds of students, runs a paid membership community, and markets with email and funnels. Its contact limits are generous on the higher plans, and you can run several products from one account.

Cost and fees in October 2026

Basic is $179/mo ($143/mo annual) with 5 products, 2,500 contacts, 1 community and 0 AI credits. Growth is $249/mo ($199/mo annual) with 50 products and 25,000 contacts. Pro is $499/mo ($399/mo annual). Kajabi Payments in the US charges 2.9% + $0.30 on Basic, falling on higher plans; using another provider (other than PayPal) adds a Kajabi fee of 2% on Basic, 1% on Growth or 0.5% on Pro. The standard trial is 14 days. Trustpilot shows 3.4 from 2,347 reviews (seen October 2026).

What it leaves out

Kajabi treats coaching as products and communities, not per-client plans. There is no habit tracking or daily client check-ins, and no booking calendar with client records built for one-to-one sessions, so you would likely pair it with a separate scheduler. Basic caps you at five products, which a teacher with three Reiki levels plus a distance package can reach quickly.

Pick it over Coachful if recorded courses for a large audience are your main income and one-to-one sessions are a small side of the business.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

4. Practice Better: what if you also keep clinical notes?

If you combine Reiki with a licensed or charting-heavy wellness role, such as nutrition, Practice Better is built for that. It is practice management for wellness and nutrition practitioners, with scheduling, telehealth, charting, billing, programs and a client portal.

Practice Better homepage introducing its practice management software for wellness practitioners
Practice Better's homepage in October 2026.

Fit for integrative practitioners

Charting and telehealth sit beside booking and billing, so a practitioner who offers Reiki alongside nutrition consultations keeps one client file. If you need a BAA for those records, confirm it with the vendor before signing up. Programs and a client portal cover follow-up work. Payments run through Practice Better Payments, powered by Stripe; rates are not listed on the pricing page.

Plans and limits, October 2026

Sprout is $0/mo for 3 clients and 100 MB. Starter is $35/mo ($25/mo annual) for 10 clients. Professional is $69/mo ($59/mo annual) for 300 clients. Plus is $99/mo ($89/mo annual) with unlimited clients, and Team is $155/mo ($145/mo annual) for 2 practitioners. Evergreen programs, portal branding, a custom URL and SMS start on Plus. Trials run 14 days (30 on Team). Trustpilot shows 3.8 from 87 reviews (seen October 2026).

The trade-offs

Public reviewers and the vendor's older profile note no website builder or funnel pages, so you still need a site and somewhere to sell classes. Branded portal features sit on the higher plans, which narrows the price gap with all-in-one tools.

Pick it over Coachful if you keep clinical charts for another licensed role and want Reiki sessions in that same charting system.

5. Paperbell: is a simple one-price tool better for a solo practitioner?

Paperbell is a good fit for a solo practitioner who works one-to-one, sells packages and wants a single price for the admin. It handles booking, packages, payments, contracts, a client portal and a simple website.

Paperbell homepage introducing its all-in-one admin tool for solo coaches
Paperbell's homepage in October 2026.

Why solo practitioners like it

The appeal is simplicity. Packages such as three Reiki sessions, payments, contracts and booking all live in the same tool. Clients, sessions, files, packages and traffic are unlimited on the single plan, so the price does not rise as your client list grows. Paperbell states no additional transaction fees; Stripe or PayPal processing applies.

What it costs

One plan at $97/mo, or $80.83/mo billed annually, as listed in October 2026, with a 30-day money-back guarantee. Its help center (July 2026) describes a 7-day trial with the public site offline and client messages and SMS turned off. Trustpilot shows 3.5 from 14 reviews (seen October 2026).

Limits for Reiki teachers

Paperbell has no courses or LMS, no community and no goal or habit tracking, and its older profile reports no native mobile app, only the mobile browser. A Reiki Master who teaches classes would add a course platform and a group space.

Pick it over Coachful if you only ever do one-to-one sessions and packages, you want PayPal, and you prefer the simplest possible setup over between-session programs. See also our Paperbell alternatives guide.

6. Calendly: can a free scheduler carry a new practice?

A free scheduler can carry a brand-new practice for a few weeks, and Calendly's free plan is the most familiar way to start. It gives you one event type and one calendar connection for one-to-one booking.

Calendly homepage introducing its scheduling tool and booking pages

What you get

Booking pages, reminders and workflows, and paid bookings through your own Stripe or PayPal account at their rates, with no Calendly fee documented.

The October 2026 price list

Free covers 1 event type. Standard is $10/mo per seat billed annually (monthly price not shown) with up to 6 calendar connections and unlimited event types. Teams is $16/mo per seat billed annually. The pricing page did not state a trial length when checked. Trustpilot shows 4.1 from 714 reviews (seen October 2026).

Why most practitioners outgrow it

Calendly is scheduling only. There are no client records, notes, programs, habits or check-ins, no intake questionnaires beyond booking questions, and no contracts or invoicing. Once you add a payment app, a form tool, a contract tool and a website, the free plan is no longer the cheap option.

Pick it over Coachful if you are seeing a handful of friends and family for practice sessions and do not yet charge or need records.

7. Systeme.io: is a marketing suite worth it for Reiki?

A marketing suite is worth it if your goal is building an email list and selling a low-cost self-Reiki course, and Systeme.io does that cheaply. It bundles funnels, email, courses, a community, a blog and an affiliate program.

Systeme.io homepage introducing its all-in-one marketing suite with funnels and email
Systeme.io's homepage in October 2026.

The low-cost case

The free plan never expires and includes 2,000 contacts, 3 funnels, 1 course for up to 500 students, a blog and a custom domain, with 0% transaction fees on every plan (Stripe or PayPal processing only). For a practitioner testing a free guided meditation that leads to a short paid course, that is a lot for nothing.

Plans, October 2026

Free $0/mo; Startup $17/mo (5,000 contacts, 10 funnels, 5 courses); Webinar $47/mo; Unlimited $97/mo. No credit card is required to sign up. Trustpilot shows 4.9 from 8,696 reviews (seen October 2026).

Where Reiki practitioners hit walls

Systeme.io has no native one-to-one scheduling with client records, habits or check-ins, according to its older profile, and its community and course features are basic, with no branded mobile app. You would still need a booking tool and somewhere to keep notes on each client.

Pick it over Coachful if your Reiki work is mainly content and digital products, and paid one-to-one sessions are rare.

Which features does each tool cover?

Coachful is the only tool here with a "yes" in every row a mixed Reiki practice needs, apart from clinical records. The matrix below is based on vendor documentation and public profiles; "partial" means available with limits or only on higher plans, and "not listed" means the vendor data we checked does not mention it.

What does each option cost at 5, 15 and 40 clients?

At 5 clients the cheapest tools win; by 15 and 40 clients, an all-in-one stack usually costs less than a scheduler plus the four tools it lacks. The figures below are monthly list prices as listed in October 2026 for the plan that covers each client count, before payment processing and before any add-on tools.

To see your true cost, add every tool in the last column to the listed price. For example (illustrative only), a scheduler plus a separate website builder, an email tool, a course host and an e-signature tool is five subscriptions and five places where a client can get lost. Our guide to e-signature software for coaches shows what that one piece alone can cost.

How would you set up a Reiki practice in Coachful?

You can set up a complete Reiki practice in Coachful in an afternoon, or ask the team to build the main pieces for free. Here is a step-by-step setup and what your client experiences at each step.

  1. Request the build. From Create, choose "We'll build it for you" and ask for a five-page site, a booking funnel for a first session and an intake form. Attach your logo, photos and the bio you already use. Client sees: nothing yet.
  2. Set your session types. Create a 60-minute in-person session, a 45-minute distance Reiki session on built-in video, and a three-session pack using session credits. Add buffers so you have time to reset the room. Client sees: a clean booking page in their own time zone.
  3. Add intake questions to booking. Ask what brings them, whether they are under medical care, and anything you should know about touch or positioning. Keep it non-diagnostic. Client sees: a few short questions before confirming.
  4. Send your agreement. Write consent wording covering what Reiki is and is not, the scope line about medical care, and cancellation terms, then send it with e-signature before the first session. Client sees: a document to read and sign on their phone.
  5. Connect Stripe. Payments for single sessions, packs and class deposits go to your own Stripe account. Client sees: checkout with Apple Pay or Google Pay.
  6. Build an aftercare program. A 21-day program with a daily grounding practice as a habit, an evening check-in asking how they slept and felt, and a weekly reflection. Client sees: a short daily checklist and streak in your branded app.
  7. Turn your Level 1 class into a course. Modules for history, hand positions and self-treatment, the manual as a download, a live practice circle as an event, and a cohort group created on enrollment. Client sees: one home for lessons, recordings and classmates.
  8. Add an email sequence. A welcome after the first session, a check-in a week later and an invitation to rebook. Client sees: timely, personal-sounding emails from you.

If you are new to running a practice, our guide to software for new coaches covers the basics, and practitioners with a broader wellness offer can compare notes in software for holistic health coaches.

What red flags and switching costs should you watch for?

The biggest red flags are hidden fees on payments, caps that bite as you grow, and data you cannot take with you. Switching later is possible, but each of these makes it slower and more expensive.

  • Platform fees on top of processing. Kajabi adds 0.5% to 2% if you use a provider other than its own payments or PayPal, and community platforms such as Mighty Networks and Skool also take a share of sales. On a busy class calendar that adds up.
  • Caps that arrive with success. Practice Better's Starter covers 10 clients and Kajabi Basic allows 5 products. Check what happens the month you cross the line.
  • Branding locked to higher plans. Portal branding and SMS start on Practice Better's Plus plan; email, upsells and affiliates on Stan Store need Creator Pro. Price the plan you will actually need.
  • Payments locked to one processor. Some tools require their own payment processing. If you leave, saved cards and subscriptions may not move with you, so clients have to re-enter details.
  • Exports that leave things behind. Ask for a full export before you commit. Coachful exports a ZIP with roster, notes, check-ins, goals, habits, sessions and form responses, and courses export separately.
  • Health claims in your copy. Not a software issue, but booking pages promising to heal a condition create risk. Keep descriptions to relaxation and wellbeing, and point clients to their doctor for medical concerns.

Switching costs fall when someone else does the moving. When you join Coachful, your clients, programs and content are imported for you during onboarding.

Which software should a Reiki practitioner choose?

Choose Coachful if clients return, buy packages, book distance sessions or take your classes, which describes most practices that have moved past the first few months. It is the only option here that keeps booking, payments, agreements, aftercare, courses, community, website and email in one login, and the free white-glove build removes most of the setup work. Choose Acuity Scheduling for in-person single sessions with no teaching, Kajabi if recorded courses for a large audience are your main income, Practice Better if you chart clinically in another licensed role, Paperbell for the simplest one-to-one setup, Calendly only while you are starting out, and Systeme.io if your focus is a list and a low-cost course.

Whatever you choose, keep the scope clear: Reiki complements medical care, and your software should make referring a client on as easy as rebooking them. If you also work with other wellness clients, see our guide to software for health and wellness coaching.

Frequently asked questions

What is the best software for Reiki practitioners?

For most practitioners with returning clients, packages, distance sessions or classes, Coachful is the best fit because it covers the whole client journey in one login and one branded client app. If you only book single in-person sessions, a booking tool such as Acuity Scheduling may be enough.

Can I run distance Reiki sessions through scheduling software?

Yes. Look for automatic video links, time-zone detection and reminders. Coachful offers built-in video or auto-created Zoom, Meet or Teams links, plus email reminders and SMS or WhatsApp reminders once messaging is enabled.

Does a Reiki practitioner need HIPAA-compliant software?

Usually not, because most Reiki practitioners are not covered entities under HIPAA, but it depends on your other roles and where you work. If you keep clinical records as a nurse, therapist or other licensed provider, use software that signs a BAA for those records. Coachful is not HIPAA-certified; check with an attorney if you are unsure.

What should a Reiki intake form ask?

Ask what brings the client, whether they are under medical or mental health care, any pregnancy, recent surgery or areas to avoid touching, and their preference for hands-on or hands-off work. Avoid diagnostic questions and add a line that Reiki does not replace medical care.

How should I sell Reiki session packages?

Use packages or session credits so a client pays once and books each session against the pack. In Coachful you sell session credits through your own Stripe account; Paperbell and Acuity Scheduling also document packages.

Can I teach Reiki Level 1 and Level 2 classes in the same tool?

Yes, if the tool includes courses. Coachful lets you build classes as courses with modules, drip release and downloads, run live practice circles as events and give each class its own cohort group. Booking-only tools need a separate course host.

Is Calendly enough for a new Reiki practice?

For your first few clients it can be. Calendly's free plan covers one event type, but it has no client records, intake beyond booking questions, contracts or invoicing, so most practitioners add other tools within months.

What is Coachful's free white-glove service?

It is a free build service on every plan. You describe what you want, such as a website, booking funnel, intake form or aftercare program, attach up to 8 links and 10 files, and the Coachful team builds it inside your account, usually within about 24 hours. It does not include video recording, logo design or ads.

Can I take my client data with me if I switch?

You should be able to, and you should check before you sign up. Coachful exports a ZIP with your roster, notes, check-ins, goals, habits, sessions and form responses, and exports courses separately.

Does Coachful take a cut of my Reiki session payments?

No. Coachful has charged a 0% platform fee since August 2026, so you pay only Stripe or Razorpay processing on your own account. It does not support PayPal.
