Best Coaching Software UK: 10 Options Ranked

Best Coaching Software UK: 10 Options Ranked

The best coaching software UK coaches can buy is the one that runs a whole client journey, from first booking to the last check-in of a program, without you stitching four subscriptions together and copying client data between them. So the deciding question is simple: do you sell sessions, or do you sell change that happens between sessions? If it is the second, you need one place for booking, payment, agreements, programs, habits and messages, and you need it to behave properly for UK clients in GMT and BST, paying by card or Apple Pay, under UK GDPR.

Our pick is Coachful. It puts booking, payments through your own Stripe account, e-signed coaching agreements, multi-week programs with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant under one login, with one branded app for your clients. We make Coachful, so read the ranking criteria below and judge the reasoning yourself. The other nine tools are here because each one is the right answer for a specific kind of UK coach, and we say which.

What do UK coaches actually need from coaching software?

UK coaches need software that handles the admin of a small service business and the delivery of coaching in the same place, while respecting UK data protection rules. The workflow is broadly the same whether you coach executives in the City, career changers in Manchester or parents over Zoom from Cardiff.

  • Booking that respects British clocks. Clients book across GMT and BST changes, and some will be in Europe, the Gulf or North America. Time-zone detection and two-way calendar sync stop double bookings and the "was that 9am your time or mine?" email.
  • Payments into your own account. Most UK coaches take card payments, Apple Pay and Google Pay, sell packages and payment plans, and issue an invoice per payment for their records. If you are VAT-registered, you also need the tax side handled correctly; check your position with an accountant.
  • An agreement before the first call. A signed coaching agreement sets scope, cancellation terms and confidentiality. It also records that coaching is not therapy or medical advice, which matters if clients bring health, grief or relationship topics.
  • Between-session delivery. Weekly goals, daily tasks, habits and check-ins are where most of the client's progress happens. A tool that only books calls leaves you chasing clients by WhatsApp and spreadsheets.
  • Group work. Many UK coaches pair 1:1 clients with a cohort program or a membership. Group chat, a community feed and group calls belong in the same system as your 1:1 records.
  • A web presence that converts. A simple site, a booking or application funnel and an email list are how most practices find clients outside referrals.

The compliance basics. If you trade on your own, GOV.UK's set up as a sole trader guide explains how to register and plan for your tax bill. The Information Commissioner's Office states that, under the Data Protection (Charges and Information) Regulations 2018, organisations, including sole traders, that use personal information need to pay a data protection fee unless they are exempt. Your software choice does not settle either question, but it does decide where client data lives, who can export it and how easily you can answer a subject access request. Our guide to starting a coaching business in the UK covers the setup side in more detail.

A scope line worth keeping. Coaching is not treatment. If a client describes symptoms of a mental health condition, an eating disorder or a medical problem, the right step is to pause and refer them to their GP or an appropriate clinician. None of the tools below is built for clinical record-keeping, and Coachful is not HIPAA-certified and not intended for clinical records.

Build your platform

Which UK coaching software is best at a glance?

We ranked on four criteria, in this order: one login for the whole client journey, between-session delivery, total stack cost, and setup effort (including whether someone will build it for you).

Rank and toolBest forStarting price (as listed, October 2026)Main limit
CoachfulCoaches who sell programs, not only sessions, and want one systemLite: $29/month for up to 5 clientsNot for clinical records; no PayPal

9. CalendlyA free booking link alongside other tools$0 Free (1 event type)Scheduling only
10. ThinkificCourse-first coaches$109/mo Start ($82/mo annual)No built-in 1:1 scheduling

Vendors list most of these prices in US dollars. Before you buy, check what currency you will be billed in, whether VAT is added at checkout, and whether the processor fees quoted apply to UK cards.

How did we choose and rank these tools?

We modelled one concrete practice and asked what each tool would need to run it. The example: a UK life coach with 15 active 1:1 clients on three-month packages, plus one eight-week group program of about 12 people, a simple website, and a lead magnet that feeds an email list. That is a common shape for a practice two or three years in, and it exposes gaps quickly.

For each tool we read what the vendor documents on its own site and pricing page in October 2026, and what public reviewers report. We did not run hands-on tests of competitor products, and we say "as listed" wherever a price or limit comes from a vendor page. Trustpilot figures are the numbers shown when we checked in October 2026.

Then we asked four questions of every product:

  1. Can the coach and the client each use one login for booking, paying, signing, doing the work and talking to each other?
  2. Does the tool deliver anything between sessions, such as habits, check-ins, tasks or course lessons?
  3. What does the full stack cost once you add whatever the tool is missing?
  4. How long until it is live, and will anyone build it with you?

Direct coaching-admin substitutes (Paperbell, CoachAccountable, Practice Better) do well on question 1 for 1:1 work but drop on questions 2 and 3 for group programs. Marketing platforms (Kajabi, Systeme.io, Thinkific) do well on courses and funnels but miss the 1:1 side. Scheduling tools are cheap and excellent at one job. That spread is why the ranking looks the way it does.

1. Coachful: the whole practice in one login

Coachful's client overview open on a laptop on a café table under a brick arch
Coachful's demo client overview, with populated client profiles, on a laptop beside a flat white and a paper diary.

Coachful is a coaching platform that runs the full client journey in one place: booking, payments, agreements, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The coach gets one login and the client gets one app in the coach's branding. It is built for coaches who deliver programs rather than only sessions, for solo coaches growing into a small team, and for anyone replacing four to six separate tools. The company is based in Tallinn, Estonia, and the platform is GDPR-ready. On Trustpilot it showed 4.5 from 21 reviews in October 2026.

Booking and sessions. Booking pages support availability rules, buffers, minimum notice and time-zone detection, which matters when a client in Edinburgh books a call while you are travelling. Calendars sync both ways with Google, Apple/iCloud and Outlook. Sessions use built-in video or auto-created Zoom, Meet or Teams links. Reminders go by email, and once messaging is enabled, by SMS 24 hours before and WhatsApp one hour before. You can add intake questions to a booking and sell paid sessions or session credits.

Payments and agreements. Clients pay through your own Stripe Connect or Razorpay account: one-time payments, subscriptions, payment plans, order bumps, coupons and refunds, with Apple Pay and Google Pay. Stripe Tax is supported, and each transaction gets an invoice, with manual invoices available too. Since August 2026 Coachful takes a 0% platform fee, so you pay only Stripe's processing. Coaching agreements are sent for e-signature before the first call and stored on the client record. See coaching contracts for how that works.

Between-session delivery. This is the main reason Coachful sits at number one. Multi-week programs carry weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. When a client enrols in a group program, a cohort group is created for them automatically, with group chat and group calls. Courses support modules, lessons, drip and completion tracking, and everything lands in the client's branded home and app. The program builder and group coaching tools pages show the detail.

A demo habits dashboard: Morning Meditation 12 of 30, Exercise 8 of 30, Journaling 5 of 30.

The client record. Each client has goals, check-ins, habits, notes, intake answers, tags, payments and sessions in one place, plus a status of thriving, active, quiet or at risk, so you can see who needs a nudge before they drift. Michelle, the built-in AI assistant, works from that live data: it briefs you before sessions, summarises recorded sessions, drafts emails and builds programs. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. If you are working toward an ICF credential, Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log (ICF hour tracking).

Marketing. The section-based website builder includes a blog, custom domain, SEO settings and 30 designed homepage templates, or you can import an existing site. Booking, application, lead-magnet and checkout funnels support pixels and UTM tracking. Email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits sit in the same account.

Here is a short walkthrough of how a client moves from booking to program inside Coachful:

Why Coachful stands out: a free white-glove service. On every plan, you can go to Create > We'll build it for you, describe what you want (a website, funnel, sales page, program, course outline, email sequence, form, lead quiz and more), attach up to 8 reference links and up to 10 files, and the Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. A leadership coach with a Squarespace renewal days away, for example, got one clean homepage with a repeated "talk with me" button. A somatic coach leaving Kajabi had the homepage and About page rebuilt and the contact form connected. It does not cover recording videos, logo design, ad management or ongoing marketing. Read more about the white-glove build service.

Coachful Create page showing the We will build it for you card
The Create page in Coachful with the card that starts a white-glove build request.

What Coachful does not do. It is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. There is no PayPal and no permanent free plan. The client app ships under the Coachful listing with your branding, not under your own App Store account. There is no Garmin, Fitbit, Whoop or Oura sync, no Salesforce or HubSpot integration, and no multi-stage sales deal board for large teams. The affiliate program tracks links, clicks, conversions and revenue, but you record payouts yourself.

Price. Coachful uses flat monthly plans; lower plans cap the number of clients, Pro is unlimited, and team plans add coach seats. Monthly plans cancel in one click. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. You can start with a free trial and request a white-glove build on day one.

2. Kajabi: strongest for audience-led course businesses

Kajabi homepage promoting its course, community and website platform for creators
Kajabi's homepage in October 2026.

Kajabi suits a UK coach whose business is mainly courses, a paid community and email marketing to a large list, rather than 1:1 delivery. It combines a website, funnels, email, courses and a community in one product.

As listed in October 2026, Basic is $179/mo ($143/mo annual) for 5 products, 2,500 contacts, one community, one website, two admin users and 0 AI credits. Growth is $249/mo ($199/mo annual) for 50 products and 25,000 contacts, and Pro is $499/mo ($399/mo annual). Kajabi's standard trial is 14 days according to its help centre; entering a card is optional, but if you do, Kajabi places an authorisation hold. Payment fees deserve a close read: Kajabi Payments in the US runs 2.9% + $0.30 on Basic, and using a third-party processor other than PayPal adds an extra Kajabi fee of 2% on Basic, 1% on Growth or 0.5% on Pro.

The gaps for a coaching practice are structural. Kajabi's coaching works through products and communities, not per-client plans, so there are no habits or daily check-ins attached to an individual client. Basic's caps of 5 products and 2,500 contacts arrive quickly if you sell several packages. Trustpilot showed 3.4 from 2,347 reviews in October 2026.

Pick it over Coachful if your revenue comes mostly from selling courses and community memberships to thousands of people, and 1:1 delivery is a small side line you can manage elsewhere.

3. Systeme.io: the cheapest way to start marketing

Systeme.io homepage introducing its all-in-one funnel, email and course builder
Systeme.io's homepage in October 2026.

Systeme.io is a low-cost marketing suite with funnels, email, courses, a basic community, a blog and an affiliate program. For a new UK coach who mainly needs a lead magnet and an email list, it gets you live without a monthly bill.

The Free plan, as listed in October 2026, covers 2,000 contacts, 3 funnels, 1 course, 500 students, 1 blog, 1 custom domain, 1 automation rule and 1 email campaign, and it never expires. Startup is $17/mo (5,000 contacts, 10 funnels, 5 courses), Webinar is $47/mo and Unlimited is $97/mo. Systeme.io charges 0% transaction fees on every plan, including Free, so you pay only Stripe or PayPal processing. Trustpilot showed 4.9 from 8,696 reviews when we checked.

What it lacks is the coaching side. There is no native 1:1 scheduling tied to client records, and no habits or check-ins. Reviewers describe the community and course features as basic, and there is no branded mobile app. In practice you would add a booking tool, a contract tool and something for client delivery, which is how a "free" stack ends up costing more than one platform. Our guide to free coaching software covers that trade-off.

Pick it over Coachful if your only need this quarter is a funnel and an email list, your budget is genuinely zero, and you are happy to run sessions and client work in other tools.

4. Quenza: worksheets and activities for reflective coaching

Quenza homepage presenting its client activities and worksheet platform for coaches
Quenza's homepage in October 2026.

Quenza is a client-engagement tool used by coaches and therapists to send activities, worksheets and multi-step programs, with chat and a client app. It suits a UK coach whose method leans heavily on structured reflection exercises between sessions.

As listed in October 2026, Spark is $25/mo ($20/mo annual) for one professional and 10 clients, Growth is $50/mo ($40/mo annual) for 250 clients, Impact is $125/mo for 400 clients and Collective is $160/mo for up to three professionals and 500 clients. There is a 30-day trial with no card. Trustpilot showed 4.3 from 8 reviews.

The catch is that Quenza does not handle money. Client payments, invoicing and digital products are marked as planned or coming soon on its pricing page. An older profile also notes no scheduling or video calls. So a Quenza practice usually runs alongside a booking tool and a separate way to take payment, and contracts sit elsewhere too. Spark's 10-client cap means a growing practice moves to Growth fairly soon.

Pick it over Coachful if you already have booking and payments sorted, your coaching is built around a library of reflective worksheets, and you want a dedicated tool only for that part.

5. Paperbell: simple admin for 1:1 packages

Paperbell homepage presenting its all-in-one admin tool for solo coaches
Paperbell's homepage in October 2026.

Paperbell is all-in-one admin for solo coaches: booking, packages, payments, contracts, a client portal and a simple website. It is one of the best-known direct substitutes for Coachful among 1:1 coaches, and its appeal is that there is one price for everything.

That single plan is $97/mo, or $80.83/mo billed annually, as listed in October 2026, with unlimited clients, sessions, files, packages and traffic. Paperbell states "no additional transaction fees", with Stripe and PayPal processor fees applying. There is a 30-day money-back guarantee. Its help centre described a 7-day trial in July 2026, during which the public site stays offline and client messages and SMS are switched off. Trustpilot showed 3.5 from 14 reviews.

Where Paperbell stops is delivery. An older profile lists no courses or LMS, no community and no goal or habit tracking, and no native mobile app, so clients use a mobile browser. For the example practice with a group program, you would need a second product for the cohort. The price is per coach, so a second coach means a second subscription. If you are weighing it up, see our Paperbell alternatives comparison.

Pick it over Coachful if you only sell 1:1 packages, you want PayPal as a payment option, and you value one fixed bill over program and community features.

6. CoachAccountable: deep action plans, priced per active client

CoachAccountable homepage presenting its coaching back-office software
CoachAccountable's homepage in October 2026.

CoachAccountable is a coaching back office with sessions, action plans, metrics, worksheets, courses, invoicing and agreements. Coaches who run accountability-heavy 1:1 engagements, such as business or executive coaching with tracked metrics, often like how much structure it gives each client.

Pricing is by active client. As listed in October 2026: Starter $20/mo for 2 active clients, Level 1 $40/mo for 5, Level 2 $70/mo for 10, Level 3 $120/mo for 20, Level 4 $250/mo for 50 and Level 5 $400/mo for 100. There is a 30-day trial with no card and no limits. Trustpilot showed 4.8 from 47 reviews, which is a strong score.

The per-client model is the main limit. At 15 clients you are on Level 3, and a 12-person group program pushes you toward Level 4, because every active client counts. An older profile also lists no native mobile app and no landing pages, website or marketing automation, and the vendor states it is not HIPAA compliant. You would pair it with a website and email tool. Our CoachAccountable alternatives page goes further.

Pick it over Coachful if you coach a small number of high-value 1:1 clients, want very detailed action plans and metrics, and already have your website and email handled elsewhere.

7. Practice Better: built for nutrition and wellness practitioners

Practice Better homepage presenting its practice management platform for wellness practitioners
Practice Better's homepage in October 2026.

Practice Better is practice-management software for wellness and nutrition practitioners: scheduling, telehealth, charting, billing, programs and a client portal. If you are a UK nutritional therapist or a health coach working close to clinical territory, its charting tools may matter to you more than marketing features.

The tiers as listed in October 2026: Sprout $0 for 3 clients, Starter $35/mo ($25/mo annual) for 10 clients, Professional $69/mo ($59/mo annual) for 300 clients, Plus $99/mo ($89/mo annual) for unlimited clients and three admins, and Team $155/mo for two practitioners. Trials run 30 days on Team and 14 days on other paid plans. Payments run through Practice Better Payments, powered by Stripe. Trustpilot showed 3.8 from 87 reviews.

Two limits stand out. Evergreen programs, portal branding, a custom URL and SMS all start on Plus at $99/mo, so a branded experience costs more than the entry price suggests. And an older profile lists no website builder or funnel pages, so marketing lives elsewhere. Below Team, an account has one practitioner. For more options in this niche, see our holistic health coach software guide.

Pick it over Coachful if you need practitioner-style charting and telehealth for nutrition or wellness work, and you are comfortable running your website and funnels in a different tool.

8. Acuity Scheduling: booking with intake forms, nothing more

Acuity Scheduling homepage presenting its online appointment booking software
Acuity Scheduling's homepage in October 2026.

Acuity Scheduling, owned by Squarespace, is appointment software with intake forms, packages and memberships. It is a sensible add-on for a coach who already runs a Squarespace site and wants proper booking without changing anything else.

As listed in October 2026, Starter is $20/mo ($16/mo annual) for one calendar, Standard is $34/mo ($27/mo annual) for up to six calendars, and Premium is $69/mo ($55/mo annual) for up to 36. Every plan has a 7-day trial with no card. Acuity does not mention its own fee on payments; your Stripe, Square, PayPal or Venmo rates apply. Text reminders begin on Standard. Trustpilot showed 3.6 from 687 reviews.

Acuity does one job. There is no client portal for programs, habits, check-ins or messaging, and no courses, community, website builder or email marketing. For our example practice, it covers the booking step and nothing after it. Our roundup of scheduling software for coaches compares it with similar tools.

Pick it over Coachful if you are staying on Squarespace, you only want better booking with intake questions, and client delivery happens over email or in person.

9. Calendly: a booking link that costs little or nothing

Calendly homepage presenting its scheduling and booking page software
Calendly's homepage in October 2026.

Calendly is a dedicated scheduling tool. It handles booking pages, reminders, workflows and paid bookings, and many coaches use it as a stopgap in their first months.

The Free plan, as listed in October 2026, gives you one event type, one calendar connection and 1:1 scheduling. Standard is $10 per seat per month billed annually, with up to six calendar connections and unlimited event types; Teams is $16 per seat billed annually. Calendly documents no fee of its own on payments; you connect Stripe or PayPal and pay their rates. Trustpilot showed 4.1 from 714 reviews.

It is a scheduling tool only. There are no client records, notes, programs, habits or check-ins, no contracts or invoicing, and nothing beyond booking questions for intake. Pricing is per seat, so each coach on a team pays separately. As the practice grows, Calendly usually becomes one of the four or five tools a coach eventually wants to consolidate.

Pick it over Coachful if you coach a handful of clients occasionally, need nothing beyond a booking link, and want to spend nothing until the practice is real.

10. Thinkific: a course platform with coaching add-ons

Thinkific homepage presenting its online course and community platform
Thinkific's homepage in October 2026.

Thinkific is a course platform with communities, memberships and coaching or webinar products. It fits a UK coach whose main product is a self-paced course, with occasional live calls on top.

As listed in October 2026, Start is $109/mo ($82/mo annual) with 10,000 current students and two admins, Grow is $219/mo ($164/mo annual) and Expand is $499/mo ($374/mo annual). Our capture of Thinkific's pricing page showed euro prices, so check the currency you will be charged in. Every self-serve plan has a 30-day trial. Thinkific charges 0% on its own Thinkific Payments, which it describes as in line with other processors at 2.9%; third-party gateways carry an extra gateway fee not listed on the page. Prices rose about 10% on 13 August 2026. Trustpilot showed 1.8 from 868 reviews.

For coaching, the gaps are real. An older profile notes no built-in 1:1 scheduling, with coaching relying on external booking links, and there are no client habits, daily check-ins or per-client plans. A branded mobile app is a $199/mo add-on.

Pick it over Coachful if a large self-paced course catalogue is the business, and 1:1 coaching is a premium upsell you are happy to book through another tool.

How do the features compare?

Only Coachful covers every row of a typical UK coaching practice in one product; the others are strong in one or two columns. "Partial" means the feature exists in a limited or indirect form, as documented by the vendor or public reviewers.

What does each option cost at 5, 15 and 40 clients?

Monthly cost depends heavily on how a vendor counts clients, so the cheapest tool at 5 clients is rarely the cheapest at 40. The figures below are monthly list prices from vendor pages in October 2026, before processor fees and VAT, for the single plan that covers that many clients. They are examples of how the maths works, not quotes.

The last column is where the real cost hides. A UK coach who combines Calendly, a contract tool, an email platform and a course host can easily spend more each month than on a single platform, and pays for it again in time spent copying client details between systems. For a fuller breakdown, see our guide for life coaches.

How would a UK coach set this up in Coachful, step by step?

Set it up in seven steps, starting with the website request so the white-glove team can build while you configure the rest. Here is the example practice from earlier: 15 1:1 clients and one eight-week group program.

A client coaching hub on a tablet next to a laptop showing a session calendar on a cottage kitchen table
The client's coaching hub with the next session on a tablet, and Coachful's session calendar on the laptop behind it.
  1. Request the website first. Go to Create > We'll build it for you, describe your offer, attach your logo, photos and existing copy, and ask for a homepage, About, Work With Me and Contact pages with every button leading to a discovery call. While the team builds it, you set up the rest.
  2. Connect Stripe. Link your own Stripe account through Stripe Connect and switch on Stripe Tax if you are VAT-registered. Payments go straight to your account; Coachful takes no platform fee.
  3. Set your availability. Add working hours, buffers and minimum notice, sync your Google, Apple or Outlook calendar, and choose built-in video or Zoom, Meet or Teams. Time-zone detection shows clients abroad the right local time.
  4. Create the 1:1 package. Build a three-month package with a payment plan, add intake questions to the discovery-call booking, and attach your coaching agreement for e-signature before the first session.
  5. Build the group program. Start from one of more than 40 program templates or ask Michelle to draft one. Add weekly goals, daily tasks, a couple of habits, and morning and evening check-ins. Enrolment creates the cohort group automatically.
  6. Import your clients. Clients, programs and content are imported for you during onboarding, so existing clients arrive with their history.
  7. Add the lead magnet. Use a lead-magnet funnel with a short email sequence that ends in a booking invitation.

What the client experiences. A prospect in Bristol lands on your site, downloads your guide, and three emails later books a discovery call at a time shown in their own clock. They answer your intake questions while booking and get an email reminder, plus SMS and WhatsApp reminders if you have messaging switched on. After the call, they buy the package with Apple Pay, sign the agreement on their phone, and open your branded app. From then on, their sessions, weekly goals, habits, check-ins, documents and messages are in one place, and if they join the group program they find the cohort chat already waiting.

On your side, the client record fills itself in. Before each session, Michelle summarises recent check-ins and notes, and the status flag shows whether that client is thriving or going quiet.

What mistakes should UK coaches avoid when choosing software?

The most expensive mistake is choosing on headline price and then paying for the gaps in extra tools and extra hours. A few others come up again and again.

  • Ignoring how clients are counted. Per-active-client pricing looks cheap at five clients and expensive once a group program starts. Model your numbers at 15 and 40 before you commit.
  • Forgetting currency and VAT. Many vendors list prices in US dollars. Check what you will actually be billed in sterling, and whether VAT is added on top.
  • Skipping the agreement. Running sessions without a signed agreement leaves cancellation terms, confidentiality and scope unclear. Pick a tool that sends it before the first call.
  • Treating client data casually. Under UK GDPR you need to know where client data lives and be able to export or delete it. Check the ICO guidance on the data protection fee and confirm the platform offers a full export.
  • Using coaching software as clinical software. If your work drifts into diagnosis or treatment, you need clinical systems and the right qualifications, not a coaching platform.
  • Building everything yourself. Weeks spent on a website are weeks not spent coaching. Use templates or a done-for-you build where one is offered.

New coaches will find more on avoiding these traps in our guide to software for new coaches.

So which coaching software should a UK coach choose?

Choose Coachful if you sell programs, packages or group work and want booking, payments, agreements, between-session delivery, community, website and email under one login, with a done-for-you build to get started. It ranks first because it is the only option here that covers the whole example practice without extra tools.

If your business is mainly courses for a large audience, Kajabi or Thinkific fit better. If the budget is zero and marketing comes first, start with Systeme.io and plan to move. Paperbell, CoachAccountable and Practice Better are solid for 1:1 work in their niches, and Acuity or Calendly are fine for booking alone. For business and executive coaches specifically, our business coaching software comparison goes deeper.

Frequently asked questions

What is the best coaching software in the UK?

For most UK coaches who deliver programs or packages, we rank Coachful first because it covers booking, payments, agreements, habits, check-ins, courses, community, website and email in one login. Course-led businesses may prefer Kajabi or Thinkific, and coaches who only need booking can use Acuity or Calendly. We make Coachful, so weigh the criteria above against your own practice.

Is Coachful GDPR compliant for UK clients?

Coachful is GDPR-ready and offers a full client data export as a ZIP, covering the roster, notes, check-ins, goals, habits, sessions and form responses. You remain responsible for your own obligations as a UK business, including the ICO data protection fee where it applies. Coachful is not HIPAA-certified and is not meant for clinical records.

Can I take payments in pounds with coaching software?

With Coachful, clients pay through your own Stripe Connect or Razorpay account, including card, Apple Pay and Google Pay, so currency and payouts follow your Stripe setup. Other tools in this list use Stripe, PayPal or their own processors. Always check the processor fee for UK cards and whether the vendor's own subscription is billed in dollars.

How does Coachful's free white-glove build service work?

From Create > We'll build it for you, you describe what you want built, such as a website, funnel, program, course outline or email sequence, and attach up to 8 links and 10 files. The Coachful team builds it in your account, usually within about 24 hours, without inventing credentials, testimonials or prices. It is available on every plan and does not include video recording, logo design or ad management.

Do I need a separate booking tool if I use Coachful?

No. Coachful includes booking pages with availability rules, buffers, minimum notice, time-zone detection and two-way sync with Google, Apple/iCloud and Outlook calendars. It also creates Zoom, Meet or Teams links automatically and sends email reminders, plus SMS and WhatsApp reminders once messaging is enabled.

Is there free coaching software for UK coaches?

Some tools have free plans: Systeme.io's Free plan, Practice Better's Sprout plan for 3 clients and Calendly's Free plan with one event type, as listed in October 2026. Each covers only part of a practice. Coachful has no permanent free plan but offers a free trial.

Which coaching software is best for group programs?

Group programs need a cohort space, shared content and individual progress tracking at once. Coachful creates a cohort group automatically on enrolment and keeps each member's habits and check-ins on their own record. Kajabi, Thinkific and Systeme.io handle community and courses but not per-client habits or check-ins.

Does coaching software help with ICF credentials?

Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours. None of the other tools in this list documents an equivalent tracker on the pages we reviewed.

Can I move my existing clients into Coachful?

Yes. Clients, programs and content are imported for you during onboarding. If you are leaving a website platform, the website builder also has an Import website option, and the white-glove team can rebuild key pages for you.
