Scheduling software for coaches: the best booking apps compared (2026)

The short answer

If you only need a booking link, Calendly's free plan (1 event type) or Systeme.io's free plan (native booking calendar, 0% fees) will do. If you sell session packages and want clients to book and pay, Acuity Standard at $34/mo is the strongest pure scheduler. If you want the booking to sit inside the client's program with credits, reminders and a mobile app, Coachful at $49/mo Solo. Health coaches needing HIPAA video on a budget should look at Vibly from $25/mo.

Every coach starts with a booking link. The problem shows up around client twelve: the link books a slot, Stripe takes the money somewhere else, the reminder goes out from a third tool, and the client has no idea they have two sessions left on their package because nothing tracks it.

So this list splits in two. Pure schedulers (Calendly, Acuity) are the best at the booking itself: calendar sync across Google, Outlook and iCloud, buffers, round-robin, time-zone handling. Coaching platforms (Coachful, Paperbell, Satori, Vibly, Simply.Coach) are a step behind on raw scheduling features and a long way ahead on what happens around the session: contracts, session credits, intake, notes, the client portal.

Systeme.io is here because people keep asking about free booking software for coaches, and it has a native booking calendar with paid appointments on a free plan. Prices below were checked on each vendor's page on 2 September 2026.

How we judged

  • The booking itself: availability rules, buffers, time-zone detection, group sessions, calendar sync and whether it is two-way.
  • Taking payment at booking: session packages, credits, subscriptions, and whether the tool adds a fee.
  • Reminders by email, SMS and WhatsApp, and which plan they start on.
  • What surrounds the session for the client: intake form, contract, portal, notes, mobile app.
  • Price honesty: what the free tier really includes, per-seat creep, and paywalled branding.

Our pick
1
Coachful

Coachful

coaching platform · from $29/mo

Best scheduling software for coaches who want booking inside the client experience

Coachful's scheduling does the pure-scheduler basics (booking pages, availability rules, buffers, time-zone detection, two-way Google and Outlook sync, built-in video or auto-created Zoom, Meet and Teams links) and then attaches the session to everything else: paid sessions and session credits from a package, intake questions saved to the client record, an agreement signed before the first call, and email plus SMS (24h) and WhatsApp (1h) reminders once messaging is enabled. Clients book from their branded home on web or the iOS and Android app. Pricing is flat: from $29/mo Lite for 5 clients, $49/mo Solo unlimited, $99/mo Pro. 7-day trial, card required, no charge during the trial.

Pros

  • Session credits, paid bookings and contracts tied to the same client record as programs and habits
  • Two-way Google and Outlook sync, built-in video, SMS and WhatsApp reminders
  • Per-coach availability and staff permissions on Studio and Agency for teams

Cons

  • No Apple Calendar sync yet; Calendly, Acuity and Paperbell all sync iCloud
  • No free plan; if you only want a booking link, Calendly's free tier costs nothing
  • Smaller review base than Calendly or Acuity: 4.5 on Trustpilot from 21 reviews
2
Calendly

Calendly

scheduling tool · from $10/mo

Best free booking link for coaches

Calendly is the category leader and the highest-rated tool on this list (G2 4.7 from 2,556, Capterra 4.7 from 4,144). The free plan gives you 1 event type, 1 calendar connection and a booking page forever. Standard at $10/mo per seat unlocks unlimited event types, multiple calendars, workflows with SMS reminders and Stripe or PayPal pay-at-booking; Teams at $16/mo adds round-robin. Calendar sync covers Google, Outlook, Exchange and iCloud. Payments now stretch to meeting packages, payment links and coupons, though some are still in private beta. There is no client portal, no contracts and no intake beyond booking questions.

Pros

  • Genuinely usable free plan for a single offer; low lock-in since bookings live in your own calendar
  • Best calendar sync and conflict handling across Google, Outlook and iCloud
  • 150+ integrations and per-seat pricing from $10/mo

Cons

  • Free tier limited to one event type; branding, workflows and SMS are paywalled
  • No client portal, contracts, intake questionnaires or client records
  • Some payment features (packages, payment links) still in private beta
3
Acuity Scheduling

Acuity Scheduling

scheduling tool · from $20/mo

Best pure scheduler for session packages and classes

Acuity, a Squarespace company since 2019, has the deepest appointment-business feature set here: appointments, classes with capacity, recurring bookings, add-ons, coupons, and custom intake forms per appointment type on every plan. Starter is $20/mo for 1 calendar; Standard at $34/mo adds text reminders, packages, memberships, subscriptions and gift certificates for up to 6 calendars; Premium at $61/mo adds a HIPAA BAA and removes the Acuity logo. Two-way sync with Google, Outlook, Exchange and iCloud. Payments go through your own Stripe, Square, PayPal or Venmo with no Acuity fee. Capterra 4.8 from 5,758 reviews; Trustpilot 3.7 from 623, mostly about email-only support.

Pros

  • Packages, memberships, gift cards, classes and intake forms in one scheduler
  • Reliable two-way calendar sync with automatic time-zone handling
  • HIPAA BAA available on Premium, rare for a scheduler at this price

Cons

  • No free plan; SMS reminders start at $34/mo and logo removal at $61/mo
  • Email-only support and recurring booking-flow bugs are the top Trustpilot complaints
  • No programs, habits, community, courses or a real client portal
4
Paperbell

Paperbell

coaching admin tool · from $57/mo

Best booking-plus-checkout for solo coaches selling packages

Paperbell's booking is inseparable from its checkout: the client buys a package, signs the contract, fills in intake and books, all through one link, with time-zone detection, appointment gaps and SMS reminders. Calendar sync covers Google, iCal and Outlook, and Zoom links are generated per session. It is $57/mo per coach with unlimited clients and 0% platform fee, and the free plan covers your first client indefinitely. Capterra rates it 4.7 from 150 reviews. Video is Zoom-only with nothing built in, there is no mobile app, and one coach per account means teams buy separate subscriptions.

Pros

  • Contract, payment, intake and booking in one client link
  • Flat $57/mo with unlimited clients and 0% platform fee; free until your second client
  • Google, iCal and Outlook calendar sync with SMS reminders

Cons

  • One service provider per account; no team scheduling
  • No built-in video and no mobile app
  • Nothing between sessions: no habits, goals or programs
5
Satori

Satori

coaching admin tool · from $33/mo

Best minimal enrollment and booking flow for solo coaches

Satori's whole pitch is enrollment: one link takes a prospect through questionnaire, agreement, payment and booking, then hands them a portal to reschedule and see billing. Booking has timezone conversion, availability controls and reminders, and calendar sync covers Google, Apple and Outlook, but reviewers say the sync is one-directional and occasionally buggy. Plans cap active clients and bookings: Essentials $33/mo for 10 clients and 60 bookings, Pro $49/mo for 50 clients and 120 bookings with groups, Leader $124/mo for 150 clients and unlimited bookings. No platform fee, 15-day no-card trial, 30-day money-back guarantee, and a free Scholar plan for pro-bono clients.

Pros

  • One-link enrollment: questionnaire, agreement, payment, booking
  • Pay only for active clients, plus a free tier for pro-bono work
  • Elegant client-facing experience; Capterra 4.5 from 13 reviews

Cons

  • No native Zoom integration; links go through Zapier or by hand
  • One-directional calendar sync described as cumbersome
  • Booking caps per tier below Leader and no mobile app; SMS reminders not verified
6
Vibly

Vibly

coaching platform · from $20/mo

Best cheap HIPAA-compliant scheduling with built-in video

Vibly bundles what a health or life coach would otherwise buy as Calendly plus Zoom plus a contract tool: native booking pages with reminders, Google Calendar sync, built-in HIPAA-compliant video, Stripe checkout with packages and payment plans, invoicing, e-signed agreements and a client portal. Basic is $25/mo per user ($20 annual) with unlimited clients; Pro at $59/mo adds instant e-signed contracts and custom forms; an AI assistant for transcripts and summaries is a flat $20/mo add-on. HIPAA, GDPR and SOC 2 are claimed on every tier. Capterra and G2 both show 4.9, from 21 and 11 reviews. The pricing page returned a 404 when we checked, so prices were confirmed via G2 and Capterra.

Pros

  • Unlimited clients from $25/mo with no platform fee and HIPAA video built in
  • Booking, payments, invoicing and contracts in one login
  • Flat-rate AI add-on for session transcripts and summaries

Cons

  • Limited branding customization; Google Meet is the default video and reviewers want Zoom quality
  • Only Google Calendar sync verified; SMS reminders and a client mobile app unverified
  • Pricing page 404s; prices reconstructed from review sites
7
Simply.Coach

Simply.Coach

coaching platform · from $9/mo

Best scheduling for multi-coach practices with sponsors

Simply.Coach gives each coach booking pages with Google and Outlook sync, recurring sessions and multiple calendars from the $49/mo Growth tier, plus embedded video conferencing alongside Zoom, Teams and Meet. Business plans ($79 or $159 per active coach) add admins, sponsors and coach matching, which matters when HR is booking on behalf of a leader. Solo plans start at $9/mo for 3 clients and reach $49/mo Leap for unlimited clients on a white-labelled domain. There is a real iOS and Android app and SOC2, HIPAA and GDPR claims. G2 4.8 from 146 reviews. SMS reminders and the transaction fee are not stated, so we could not verify either.

Pros

  • Recurring sessions, multiple calendars and embedded video on Growth and up
  • Team scheduling with sponsor and admin roles for corporate engagements
  • Client mobile app and compliance paperwork included

Cons

  • Recurring sessions and multiple calendars are locked below the $49/mo tier
  • SMS reminders unverified; platform fee not stated
  • Feature overwhelm during setup per reviewers
8
Systeme.io

Systeme.io

all-in-one marketing suite · from $17/mo

Best free booking software for coaches who also want funnels and email

Systeme.io is the only tool here with a native booking calendar and paid appointments on a free-forever plan: 2,000 contacts, 3 funnels, 1 course, 1 custom domain, unlimited emails, 0% platform fee, no card. Startup is $17/mo, Webinar $47/mo, Unlimited $97/mo. Reviews are exceptional for the price (Trustpilot 4.9 from 8,424, Capterra 4.8 from 2,126). It is a marketing platform first, so the booking sits next to funnels, email automation, courses and an affiliate program rather than next to a client record. We could not verify Google or Outlook sync for the booking calendar, and there is no built-in video, no contracts and no mobile app.

Pros

  • Free plan with native booking, paid appointments, funnels and unlimited emails
  • 0% platform fee on every plan including Free; $17/mo entry
  • Highest review volume and score on this list

Cons

  • Calendar sync for the booking calendar unverified; no built-in video, no contracts
  • No client mobile app and no habits, check-ins or live group rooms
  • Contact exports expire after 3 days; no refunds for the unused period

Fair play

Where Coachful is not the right pick

  • If you only need a booking link into your calendar, Calendly's free plan is enough and costs nothing. Coachful has no free tier.
  • If Apple Calendar or iCloud sync is a must, Calendly, Acuity and Paperbell have it and Coachful does not yet.
  • If you sell classes and gift certificates as a wellness practitioner and want a HIPAA BAA on the scheduler, Acuity Premium at $61/mo is built for that.

Coaches who made the switch

I tried running my coaching business across five different apps. It was a complete waste of time and money. Then I found Coachful. It was everything I need in one platform.

It’s the coaching platform I always wanted — it just didn’t exist yet. I have one dashboard for everything and already saved $1,300 by cancelling all the tech I had duct-taped together.
