Best Software for Retreat Leaders: 12 Options Ranked

The best software for retreat leaders is the one that carries an attendee from the first "is this for me?" click to the follow-up call three months after the retreat, without you stitching five apps together. So the deciding question is not "which tool has the nicest booking page?" It is: where does the retreat live before and after the days on site? If the answer is "in a spreadsheet, a payment link, a WhatsApp group and my inbox," that gap is what to fix.
Our pick is Coachful, because one login covers the application funnel, deposits and balance payments, the signed agreement, a cohort community, and a pre- and post-retreat program with daily check-ins, all inside one branded client app. We make Coachful, so we have tried to be specific about what it does not do as well. The other eleven tools below are strong at one or two parts of the job, and for some retreat leaders one of them will be the better fit.
What do retreat leaders actually need from software?
Retreat leaders need software that handles selling, paying, preparing and integrating, because the retreat days themselves are usually the easiest part to run. Most of the admin happens in the eight weeks before and the twelve weeks after.
Look at a typical retreat workflow from the attendee's side:
- Discovery and application. A sales page, then an application form, because most retreat leaders screen for fit, health considerations and group balance before taking a deposit.
- A short call. Many leaders book a 20 to 30 minute fit call with each applicant. That needs booking pages, time-zone detection and reminders.
- Deposit, then balance. Retreats are high-ticket and usually paid in parts: a deposit to hold the spot and a balance due a few weeks before arrival. Our guide to selling retreats with deposit and balance payments covers the mechanics.
- Agreement and terms. Cancellation and refund terms, participation expectations and, for active or wellness retreats, a waiver your attorney has written. Signed before arrival, stored where you can find it.
- Preparation. Packing lists, travel notes, intention-setting prompts, a few weeks of light habits, and an introduction to the group.
- The retreat. Agenda, group sessions, maybe a livestream for remote participants on a hybrid format.
- Integration. The part most retreats lose: weekly prompts, a group space that stays active, a follow-up call, and an offer for the next step.
Two scope issues shape the software choice. First, many retreats include breathwork, fasting, movement or emotional processing. Coaching is not treatment. If an application mentions a recent eating disorder, a heart condition, active trauma symptoms or pregnancy, for example, the right step is to ask for clearance from the attendee's doctor or refer them to a licensed professional, and your software should help you collect those answers and keep them private. Coachful, like most coaching platforms, is not HIPAA-certified, so do not use any coaching tool as a clinical record. Second, retreats carry real-world liability. The U.S. Small Business Administration lists general liability and professional liability insurance among the common types for service businesses; check with an attorney and an insurance broker on what your venue, activities and location require, and keep the signed terms on each attendee's record.
If you are still choosing a format, our list of coaching retreat ideas and the virtual retreat facilitation checklist are good starting points.

How did we choose and rank these tools?
We ranked against one concrete scenario. Picture a retreat leader with 15 clients: 12 people booked onto a four-day spring retreat and 3 ongoing one-to-one clients. Around the retreat they run one group program: four weeks of preparation and eight weeks of integration. They need an application form, fit calls, a deposit and a balance, a signed agreement, a group space and weekly prompts afterward.
For each tool we read the vendor's own pricing page and documentation as listed in October 2026, and our September 2026 profiles where noted, plus what public reviewers report. We did not run hands-on tests. We asked four questions:
- How many of the seven stages above can run inside this tool without another app?
- Can it deliver something to attendees between retreat days: prompts, habits, check-ins, a group space?
- What is the realistic monthly stack cost once you add the tools it lacks?
- How long until a working setup, and can anyone build it for you?
Tools that only cover venue logistics, room allocation or travel are out of scope; most retreat leaders handle those with the venue's own system or a shared spreadsheet.
1. Coachful: why does one login matter most for retreats?

Because a retreat is a journey, not an event, and every app switch is a place where an attendee drops off. Coachful is a coaching platform where one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The coach has one login and the client gets one branded app. It is built for coaches who deliver programs, not just sessions, and for coaches replacing four to six tools. The company is based in Tallinn, Estonia, and has a Trustpilot rating of 4.5 from 21 reviews.
Here is how each retreat stage maps onto it.
Selling and screening. The section-based website builder includes a blog, custom domain, SEO settings and 30 designed homepage templates. Booking, application, lead-magnet and checkout funnels carry Meta Pixel and UTM tracking, so you can see which podcast or post filled a seat. An application funnel is the natural front door for a retreat that screens applicants. You can also add intake questions directly on a booking page for the fit call.

Fit calls. Booking pages support availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync. Calls run on built-in video or an auto-created Zoom, Meet or Teams link. Email reminders are standard, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled. If you co-facilitate, team plans add coach seats with per-coach availability, and multi-coach session types can assign by round-robin or least-busy.
Deposit and balance. Payments run through your own Stripe Connect or Razorpay account: one-time charges, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, and Stripe Tax. A payment plan handles the deposit-then-balance pattern, and an order bump can carry an add-on such as a private room or an extra one-to-one session. Each transaction gets an invoice, and you can raise manual invoices too. Coachful has charged a 0% platform fee since August 2026, so only Stripe or Razorpay processing applies, which matters on high-ticket retreat sales.

Agreements. Coaching agreements with e-signature go out before the first call and are stored on the client record. Put your cancellation terms and participation expectations here, using wording your attorney has approved. More on this in our coaching contracts page.
Preparation and integration. This is where Coachful separates from the rest of the list. Multi-week programs include weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Courses with modules, lessons, drip and completion tracking can hold the travel guide, the reading list and recorded sessions. When an attendee enrolls in the program, a cohort group is created automatically, with a community feed, group chat, direct messages and video events, so the "retreat circle" exists before anyone packs a bag and stays open after.

Each client record shows goals, check-ins, habits, notes, intake answers, tags, payments and sessions, with a status of thriving, active, quiet or at risk. Six weeks after the retreat, that status is how you spot the attendee who has gone quiet before they disappear. Michelle, the built-in AI assistant, works from that live data: it can draft the integration emails, build a program outline, summarize a recorded group session and brief you before a follow-up call. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. Email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits handle the "what to pack" and "your balance is due" messages.
This short walkthrough shows how a multi-week program is put together inside Coachful:
Why Coachful stands out: a free white-glove service. On every plan, you can open Create > We'll build it for you · FREE, describe what you want, attach up to 8 reference links and up to 10 files (logos, venue photos, your agenda, existing copy), and the Coachful team builds it inside your own account, usually within about 24 hours. For a retreat leader that could be the sales page, the application funnel, the prep-and-integration program outline, the email sequence or the event page. Nothing gets invented: no fake testimonials, credentials or prices; gaps are left for you to fill. It does not include recording videos, logo design, ad management or ongoing marketing. One recent example: a real-estate and money coach got a year-long cohort program with an application form, an eight-page site and a free nine-day bootcamp funnel. Read more about the free white-glove service.
Price: flat monthly plans; lower plans cap the number of clients and Pro is unlimited (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Monthly plans cancel in one click, and there is a free trial.
Limits to know. Coachful is not HIPAA-certified and offers no BAA, so it is not for clinical records. There is no PayPal and no permanent free plan. The client app ships under the Coachful listing with your branding, not under your own App Store account. There is no multi-stage sales deal board for large teams and no routing form that picks a host from form answers. The affiliate program tracks links, clicks, conversions and revenue, but payouts to past attendees who refer friends are recorded manually. Room allocation and travel are not part of the feature list.
2. Kajabi: is it worth it for retreats with a big audience?

Kajabi suits retreat leaders who already sell courses and memberships to a large list and treat the retreat as the top tier of that product line. It is a course, community, website, funnel and email platform for selling knowledge products, and its Trustpilot rating was 3.4 from 2,347 reviews in October 2026.
For retreats, the useful parts are the website and funnels for the sales page, email for the launch, and a community for attendees. Coaching on Kajabi is built around products and communities rather than per-client plans, so there are no habit tracking or daily client check-ins for the integration weeks.
As listed in October 2026: Basic $179/mo ($143/mo annual) with 5 products, 2,500 contacts, 1 community and 0 AI credits; Growth $249/mo ($199/mo annual) with 50 products and 25,000 contacts; Pro $499/mo ($399/mo annual). Kajabi Payments in the US costs 2.9% + $0.30 on Basic, falling to 2.7% + $0.30 on Pro. With another provider (excluding PayPal), Kajabi adds its own 2% fee on Basic, 1% on Growth and 0.5% on Pro on top of the provider's fees. The standard trial is 14 days; some features, such as bulk contact import and some automations, stay locked until a paid plan is active.
The limits for a retreat leader: the Basic plan's 2,500-contact cap arrives quickly if you run lead magnets, and neither e-signed agreements nor one-to-one booking appear in Kajabi's pricing-page feature list, so plan on separate tools for both.
Pick it over Coachful if your business is mainly courses and memberships sold to tens of thousands of contacts, and the retreat is an occasional premium add-on rather than the centre of the year.
3. HoneyBook: what does a project-based CRM do for retreat admin?

HoneyBook treats each booking as a client project with proposals, contracts, invoices and a client portal, which maps neatly onto the paperwork side of a retreat. It is a client-management CRM for service businesses, with a Trustpilot rating of 4.1 from 748 reviews.
A retreat leader can send each attendee a contract and an invoice, and track every attendee's paperwork in one place. The scheduler covers fit calls on Essentials and above.
Pricing as listed in October 2026: Starter at $29/mo billed annually (the monthly figure was not shown), with unlimited clients and 2 live lead forms; Essentials $59/mo ($49/mo annual) for up to 2 team members and 10 lead forms; Premium $129/mo ($109/mo annual). There is a 30-day free trial with no card required. Payments must run through HoneyBook's own processing; the FAQ quotes 2.7% + 10¢ for cards while the plan comparison shows 2.9% + 25¢, so confirm before you sign up. ACH is 1.5%.
What it cannot do: deliver the retreat. There are no programs, courses, habits, check-ins or community, so preparation and integration need another tool. The scheduler and automations are not on Starter, and prices rose in February 2025 according to our September 2026 profile.
Pick it over Coachful if you run retreats as a side line to an event-planning or corporate offsite business where proposals and project pipelines matter more than what attendees do after they leave.
4. Mighty Networks: is a community-first platform enough?

Mighty Networks is enough if your retreat's real product is the alumni community, and not enough if you need one-to-one calls, contracts or invoices. It combines community, courses and events, with Mighty-branded member apps; its Trustpilot rating was 3.3 from 219 reviews in October 2026.
Retreat leaders use it to open a pre-retreat space, run livestreamed sessions for remote participants, and keep a paid alumni circle going between yearly retreats. Livestreaming is included: 20 hours a month for up to 100 attendees on Launch.
Plans as listed in October 2026: Launch $95/mo ($79/mo annual) with 3 hosts and 200 GB storage; Scale $215/mo ($179/mo annual) with 5 hosts and 30 livestream hours; Growth at $354/mo billed annually. Mighty adds a platform fee on sales of 2% on Launch, 1% on Scale and 0.5% on Growth and Mighty Pro, plus Stripe processing. The trial is 14 days with no card and includes Growth features.
The gaps: no one-to-one scheduling, invoicing or contracts, and no per-client habits, check-ins or private coaching plans. Your own branded app is only on the custom-priced Mighty Pro tier.
Pick it over Coachful if you run a large membership of past attendees, with hundreds of members and multiple hosts, and the retreat itself is handled by a booking agency or venue.
5. Systeme.io: can a free funnel builder fill your retreat?

It can fill it, at least to start. Systeme.io is a low-cost marketing suite with funnels, email, courses, community, a blog and an affiliate program, and it charges 0% transaction fees even on the free plan. Its Trustpilot rating was 4.9 from 8,696 reviews in October 2026.
For a first retreat, the Free plan covers a sales page and application funnel, an email sequence and a simple course for the prep material. The affiliate program can reward past attendees who refer friends.
As listed in October 2026: Free at $0/mo with 2,000 contacts, 3 funnels, 1 course and 1 automation rule; Startup $17/mo with 5,000 contacts and 10 funnels; Webinar $47/mo; Unlimited $97/mo. The free plan never expires and needs no card. Stripe or PayPal processing applies.
Where it falls short: no native one-to-one scheduling with client records, and no habits or check-ins for integration, according to our September 2026 profile. Our profile describes the community and course features as basic, and there is no branded mobile app. You will still need a scheduler for fit calls and an e-signature tool for agreements; see our roundup of e-signature software for coaches if you go this route.
Pick it over Coachful if your budget for software is close to zero, your first retreat is a test, and you are happy to handle agreements and follow-up by hand.
6. Paperbell: how far does a simple coaching admin tool go?

Paperbell covers the transactional middle of a retreat: packages, payments, contracts and booking. It is an all-in-one admin tool for solo coaches with a client portal and a simple website, priced as one plan for everything. Its Trustpilot rating was 3.5 from 14 reviews in October 2026.
You could sell the retreat as a package, attach the agreement to checkout and book the fit call in the same flow. Unlimited clients mean a larger retreat does not push you up a tier.
Listed price in October 2026: $97/mo, or $80.83/mo billed annually. The pricing page advertises "No additional transaction fees"; Stripe or PayPal processing applies. There is a "Try For Free" button, though the trial length is not on the pricing page (our September 2026 profile notes a 7-day trial with the public site offline), plus a 30-day money-back guarantee.
The limits show up after the deposit. Paperbell has no courses, community, goal or habit tracking, so preparation and integration live somewhere else, and there is no native mobile app; clients use the mobile browser. Our Paperbell alternatives page compares it more closely.
Pick it over Coachful if retreats are a small part of a mostly one-to-one practice and you want the fewest possible settings.
7. CoachVantage: a coaching CRM with cohorts

Group programs with cohorts are the reason CoachVantage earns a spot here. It is a coaching practice management tool with a CRM, scheduling, contracts with e-signature, invoices, a client portal, group programs and small courses, priced per coach with unlimited clients.
A retreat leader could run each retreat as a group program cohort, send contracts for signature and invoice through Stripe or PayPal. The pricing page states "No commissions on the revenue you earn."
As listed in October 2026: Clarity $39/mo ($35/mo annual) with 2 group programs, 2 sales pages, 2 booking pages, 4 e-signatures a month and 2 courses; Aha! $59/mo ($53/mo annual) with unlimited group programs, sales pages, booking pages and e-signatures. There is a 14-day trial with no card.
Watch the Clarity caps: 4 e-signatures a month will not cover 12 retreat agreements, so most retreat leaders need Aha!. Our September 2026 profile notes no team or multi-coach features, which matters if you co-facilitate, and reviewers report that the built-in CVMeet video is weak, so many users still run calls on Zoom.
Pick it over Coachful if you mainly want a CRM view of each client and a contract trail, and your group work is light.
8. Satori: what if you only want to pay for active clients?

Satori bills by active clients, which suits retreat leaders whose roster swells around retreat season and then shrinks. It is a coaching practice tool for scheduling, a client portal, packages and programs, invoices and contracts.
Its practical strength is the paperwork and booking side: sell a package, send the contract, take payment, book the calls. Satori does not charge on client payments; standard PayPal and Stripe fees apply.
Tiers as listed in October 2026: Scholar is free for unpaid practice clients while studying for a certification; Essentials $33/mo ($27.50/mo annual) covers up to 10 active paying clients; Pro $49/mo ($40.83/mo annual) covers 50 active clients per our September 2026 profile; Leader $124/mo. The trial is 15 days with no card, and Satori offers a refund if requested within 30 days of signing up.
For a 12-person retreat, Essentials is already too small. Our profile also notes no native mobile app, no native Zoom integration, and no landing pages, courses or community, so the sales page, the group space and the integration content all sit elsewhere.
Pick it over Coachful if retreat attendees are few, your main work is one-to-one, and you want the bill to drop between seasons.
9. Delenta: portals and group coaching on a single seat

Each attendee in Delenta gets a client portal, and the plans are capped by how many portals you run. It is a coaching practice platform with a CRM, scheduling, contracts, client portals and group coaching, with courses on the top plan. Its Trustpilot rating was 4.1 from 5 reviews in October 2026.
For retreats, that means each attendee can have a space for their agreement, documents and sessions, while group coaching covers the cohort calls. The pricing page states "No additional transaction fees"; Stripe or PayPal processing applies.
Listed in October 2026: Starter $29/mo ($19.08/mo annual) with 10 client portals; Pro $49/mo ($39.08/mo annual) with 40 portals and up to 6 calendars; Premium $79/mo ($58.25/mo annual) with unlimited portals and 100 GB. Teams pricing was not shown. The trial page conflicts: the headline says 14 days while the FAQ says 7 days; no card is required.
Mind the tiers: a 12-person retreat plus a few one-to-one clients already exceeds Starter, and the course creator and the mobile app are only on Premium. Multi-coach features require the custom-priced Teams plan.
Pick it over Coachful if per-attendee portals are what you care about most and you do not need funnels or a website from the same tool.
10. Skool: does a gamified group work for retreat alumni?

For keeping alumni talking, yes; for selling and running the retreat, not really. Skool puts a community, a classroom and a calendar in one group, with gamified leaderboards. Its Trustpilot rating was 1.6 from 54 reviews in October 2026.
As listed in October 2026: Hobby $9/mo ($7.50/mo annual) with unlimited members, courses and live calls; Pro $99/mo ($82.50/mo annual). The fees matter for high-ticket retreats. Hobby takes 10% + 30¢ on every transaction. Pro takes 2.9% + 30¢ up to $899 and 3.9% + 30¢ above $900, so a typical retreat ticket lands in the higher band. Fees are non-refundable, and payments only run through Skool Payments. The pricing page shows "Try for free" buttons without stating the trial length.
Skool has no custom-domain website, funnels, email automation or public API, and no one-to-one client records, intake forms, habits or check-ins. Applications, agreements and fit calls all need other tools.
Pick it over Coachful if your audience already lives on Skool and the alumni group is the main thing you sell, with the retreat booked elsewhere.
11. Stan Store: selling seats from your link in bio

Stan Store is a link-in-bio storefront for selling digital products, courses, memberships and paid calls, which makes it a quick way to sell retreat spots to a social audience. Its Trustpilot rating was 4.7 from 2,205 reviews in October 2026.
Pricing as listed in October 2026: Creator $29/mo ($25/mo annual) and Creator Pro $99/mo ($79/mo annual), both with unlimited products and customers. Stan takes no fee of its own ("keep 100% of every sale"); Stripe or PayPal processing applies. There is a 14-day trial on either plan, with the first month charged when the trial ends.
Email marketing, upsells, discount codes and affiliates are only on Creator Pro, so a retreat launch with early-bird codes and a follow-up sequence needs the higher tier. Stan has no contracts, invoices or client records, and no programs with tasks, habits or check-ins. No team seats are advertised.
Pick it over Coachful if nearly all your retreat sales come from Instagram or TikTok, you sell one fixed-price ticket, and you handle agreements and integration elsewhere.
12. Calendly: when is scheduling alone the right answer?

Calendly is the right answer only when fit calls are the single gap in an otherwise working setup. It is a scheduling tool with booking pages, reminders and workflows, and paid bookings through your own Stripe or PayPal. Its Trustpilot rating was 4.1 from 714 reviews in October 2026.
As listed in October 2026: Free with 1 event type and 1 calendar connection; Standard $10 per seat per month billed annually; Teams $16 per seat per month billed annually. Monthly prices were not shown, and the trial answer did not render on the pricing page (our September 2026 profile notes a 14-day Teams trial with no card).
There are no client records, notes, programs, habits or check-ins, no intake questionnaires beyond booking questions, and no contracts or invoicing. Pricing is per seat, so a co-facilitator pays separately.
Pick it over Coachful if you already run everything else on tools you like and just need a booking link for applicant calls.
Which features does each tool cover?
This matrix scores each tool against the retreat stages above. "Partial" means the feature exists with a meaningful limit; "Not listed" means neither the vendor's pricing page nor our profile documents it.

What does each option cost at 5, 15 and 40 clients?
The table shows the cheapest listed plan that fits each roster size, as listed in October 2026, before payment processing. It does not add the extra tools a single-purpose app needs; for most of the list, add a scheduler, an e-signature tool or a community app on top. Visit plans for Coachful's full list.
| Tool | 5 clients | 15 clients | 40 clients | Notes |
|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Solo: $49/month for up to 20 clients | Pro: $99/month with unlimited clients | 0% platform fee; covers every stage in the matrix |
| Kajabi | $179/mo | $179/mo | $179/mo | Basic caps 2,500 contacts; extra fee with non-Kajabi processors |
| HoneyBook | $59/mo | $59/mo | $59/mo | Essentials, for the scheduler; no delivery tools |
| Mighty Networks | $95/mo | $95/mo | $95/mo | Plus 2% platform fee on Launch |
| Systeme.io | $0 | $0 | $0 | Free plan to 2,000 contacts; no scheduler or contracts |
| Paperbell | $97/mo | $97/mo | $97/mo | Unlimited clients; no community or courses |
| CoachVantage | $59/mo | $59/mo | $59/mo | Aha!, since Clarity allows 4 e-signatures a month |
| Satori | $33/mo | $49/mo | $49/mo | Pro limit of 50 active clients per our September 2026 profile |
| Delenta | $29/mo | $49/mo | $49/mo | Pro allows 40 portals; courses need Premium at $79/mo |
| Skool | $9/mo | $9/mo | $9/mo | Hobby takes 10% + 30¢ per sale; Pro is $99/mo |
| Stan Store | $29/mo | $29/mo | $29/mo | Email and discount codes need $99/mo Creator Pro |
| Calendly | $0 | $0 | $0 | Free plan has 1 event type; scheduling only |
As an illustrative example of why fees matter: on a $2,000 retreat ticket, Skool Hobby's 10% + 30¢ comes to $200.30 per attendee, or $2,403.60 across 12 attendees, before card processing. Percentage fees grow with ticket size; flat subscriptions do not.
How would you set up a retreat in Coachful, step by step?
Here is a worked setup for the scenario above: a four-day spring retreat for 12 people, with four weeks of preparation and eight weeks of integration. The names and timings are examples; adjust them to your format. For agenda ideas, see the executive retreat agenda template or the leadership mastermind retreat structure.

- Ask for the build. Open Create > We'll build it for you and request a retreat sales page plus an application funnel. Attach venue photos, your draft agenda and your About text. The team builds it in your account, leaving gaps for anything you have not supplied, like prices or testimonials.
- Write the application. Add questions on goals, experience, dietary needs and any health considerations relevant to the activities. Add a line that coaching is not medical or psychological treatment and that some answers may lead you to ask for a doctor's clearance.
- Set up the fit call. Create a 20-minute session type with intake questions, buffers and minimum notice. Turn on SMS and WhatsApp reminders once messaging is enabled.
- Create the offer. Build a payment plan with a deposit at enrollment and the balance later, through your own Stripe Connect account. Add an order bump for a single room or an extra one-to-one session, and a coupon for alumni.
- Attach the agreement. Upload cancellation terms, participation expectations and any waiver your attorney has drafted as an agreement sent for e-signature before the first call.
- Build the program. Call it "Spring Retreat Arc." Weeks 1 to 4: weekly goals, a short daily task and a morning check-in on intentions, plus a drip course with travel notes and packing list. Retreat week: the agenda and session recordings. Weeks 5 to 12: two integration habits, an evening check-in, and a weekly group call.
- Let the cohort form. Enrollment creates the cohort group automatically, so attendees meet in the group chat weeks before arrival.
- Write the sequence. A multi-step email sequence with delays: welcome, balance reminder, "what to pack," arrival details, and a post-retreat series. Only email people who opted in, and follow the FTC's CAN-SPAM guidance on marketing messages.
- Watch the status. After the retreat, sort clients by status. Anyone marked quiet or at risk gets a personal message, and Michelle can brief you before their follow-up call.

What the attendee experiences. They find your sales page, fill in the application and book a fit call in their own time zone. After the call they pay the deposit with Apple Pay, sign the agreement and download your branded app, where the "Spring Retreat Arc" program is waiting with a morning prompt and a group chat full of people they will meet in four weeks. The balance is collected on schedule, the packing list arrives by email, and after the retreat the same app keeps nudging the habits they chose on the last evening. When the next retreat opens, they already have the app.
If you co-facilitate or run hybrid formats, our hybrid mastermind retreat planning guide and the group coaching software page cover the multi-host side.
What mistakes do retreat leaders make with software?
The most common mistake is building the stack around the retreat days and forgetting the weeks on either side. A few others:
- Taking money before terms are signed. A deposit without signed cancellation terms is a refund dispute waiting to happen. Put the agreement before payment, or at least before the first call.
- Letting the WhatsApp group become the program. A chat thread has no record of who is engaging. Use a space where check-ins and habits show you who has gone quiet.
- Ignoring percentage fees. A 10% fee is easy to miss at $9 a month and painful on a high-ticket sale. Compare fees at your real ticket price.
- Collecting health details in the wrong place. Ask only what you need to keep the group safe, store it privately, and refer to licensed professionals when an answer is outside coaching.
- Posting testimonials carelessly. Past-attendee quotes on your sales page are endorsements; the FTC's endorsement guidance explains what you can claim.
- Pricing per client for a big cohort. Per-active-client pricing works for small one-to-one rosters but rises fast when 20 attendees enroll at once.
What is our verdict?
For most coaches who lead retreats, Coachful is the best choice because the application, deposit, agreement, cohort community and twelve-week integration program run in one login with one branded app, and the white-glove team will build the sales page and funnel for you free. Kajabi fits leaders with a large course business, HoneyBook fits leaders who think in client projects and proposals, and Mighty Networks or Skool fit leaders whose main product is the alumni community. Systeme.io is the budget pick for a first test retreat. The coaching admin tools (Paperbell, CoachVantage, Satori and Delenta) handle payments and paperwork well but leave the integration weeks to another app.

Frequently asked questions
What is the best software for retreat leaders?
For most coaches who run retreats, Coachful, because it covers the application, deposit and balance payments, e-signed agreements, a cohort community and a pre- and post-retreat program in one login. If you only need one piece, specialist tools such as HoneyBook for contracts or Mighty Networks for community may be enough.
Can I take a deposit and collect the balance later?
Yes, in Coachful a payment plan handles a deposit at enrollment and later instalments through your own Stripe Connect or Razorpay account. Our guide to deposit and balance payments walks through the setup.
Does Coachful handle room allocation or travel?
No. Room allocation, flights and venue contracts are not part of Coachful's feature list. Most retreat leaders handle them with the venue's system or a shared spreadsheet, and use Coachful for everything the attendee touches.
Do I need a waiver for my retreat?
That depends on your activities, venue and location, so check with an attorney. Whatever they draft, you can send it as an agreement for e-signature in Coachful and keep the signed copy on each attendee's record.
Can I use Coachful for wellness retreats with health screening?
You can collect application answers, but Coachful is not HIPAA-certified and is not for clinical records. Coaching is not treatment: if an answer suggests a medical or mental health concern, ask for clearance from the attendee's doctor or refer them to a licensed professional.
How do I keep attendees engaged after the retreat?
Give them a structured integration program, not just a chat group. In Coachful, habits, evening check-ins and weekly group calls continue in the same app, and client status flags anyone drifting to quiet or at risk.
What is Coachful's free white-glove service?
It is a build service included on every plan: you describe what you want, attach up to 8 links and 10 files, and the Coachful team builds it inside your account, usually within about 24 hours. For retreats that could be the sales page, application funnel, program outline or email sequence. It does not include recording videos, logo design or ad management.
Can two facilitators share one account?
Yes, on Coachful's team plans, which add coach seats with per-coach availability and staff permissions. Session types with several coaches can assign by round-robin or least-busy.
Is there a free option for a first retreat?
Systeme.io has a free plan with funnels, email and a basic course, and Calendly has a free scheduling plan. Coachful has a free trial but no permanent free plan.
How do I get started with Coachful?
Start a free trial, then request the white-glove build for your retreat sales page and application funnel. Your clients, programs and content can be imported for you during onboarding.
