How much does coaching software cost? The honest answer is that there are four prices, and the one on the pricing page is the smallest of them. There is the subscription. There is the platform fee some tools take from every payment your clients make. There is the client cap that forces you up a tier the month your practice grows. And there is the second subscription you buy because the first one turned out to cover five of the seven things you needed.

Vendors move prices often and quietly, so treat this as a snapshot and confirm the two or three you shortlist.

Price bands by what the software actually does
The word "coaching software" covers four different products, and they cost different amounts because they do different jobs.
Schedulers: free to about $60
A booking link, a calendar sync, reminders. Calendly has a free tier, then $10 and $16 a month. Acuity Scheduling runs $20, $34 and $61. Neither takes a fee on payments; you connect your own Stripe or PayPal and pay their processing rates. If booking is the only problem you have, this is the whole bill.
Client-admin tools: $15 to $130
Contracts, invoices, proposals, a pipeline. Built for freelancers and creatives, used by plenty of coaches. Bonsai runs $15 to $59. Dubsado is $35 or $55. HoneyBook is $36, $59 and $129, and HoneyBook is also the payment processor, with card rates starting at 2.7 percent plus a fixed fee. None of these has any concept of a coaching programme, a habit, or a client goal.
Coaching platforms: $9 to $250, with two very different pricing shapes
This is the category built for the job, and its pricing splits along one line: flat per coach, or scaled per client.
Flat per coach: Simply.Coach from $9 to $69 for a solo coach. Coachful from $29 on Lite, with a $99 Pro tier for unlimited clients, and no platform fee. Delenta $29, $49 and $79. CoachVantage $39 and $59. Paperbell one tier at $57, with a free plan for your first client. Satori $33 to $124, with a free tier for pro bono work.
Scaled per client: CoachAccountable charges by active client, from $20 for two clients through $70 at ten, $120 at twenty and $250 at fifty. Excellent value with a handful of clients, expensive with a full book. upcoach prices annually, from $49 to $399 a month equivalent, and adds a platform fee on every payment until the top tier: 2 percent, then 1, then 0.5.
Off to the side, Quenza charges $25 to $160 for between-session exercises and takes no payments at all, so it is always a second tool.
Course and community platforms: $9 to $500, plus the fee
Kajabi is $89, $179, $249 and $499, with 0 percent platform fee if you use Kajabi Payments and a surcharge if you bring your own Stripe. Thinkific is $49, $99 and $199 at 0 percent. Podia is $49, $99 and $179, and takes 5 percent on its cheapest tier. Skool is $9 with a 10 percent fee, or $99 at standard processing plus 1 percent above $899 per transaction. Circle is $129 and $219 with a 2 percent, then 1 percent, platform fee. Systeme.io has a free plan and runs $17 to $97 with no platform fee.
The second price: platform fees
A platform fee is a percentage the software keeps from each client payment, on top of what Stripe or PayPal charge to process it. It does not appear in the monthly price and it scales with your revenue, which is exactly the wrong way round for a growing practice.

The third price: client caps and the tier ladder
Entry prices are entry prices because they are capped. Simply.Coach's cheapest solo tiers cap clients at three, seven and thirty. Delenta's $29 tier gives ten client portals and its $49 tier forty. So the question is not what the software costs, but what it costs at the number of clients you will have in six months. Count your live clients, add the ones in your pipeline, and read the tier that holds that number. That is your price.
The fourth price: the tool you buy next
Most software sold as all-in-one covers five or six of the seven jobs a coaching business runs on: booking, payments, contracts, delivering the programme, holding content, running a group, and marketing. The one or two it misses become a second subscription with a second login for your clients.
