Practice Better vs SimplePractice: Do Coaches Need Either?

Practice Better vs SimplePractice: Do Coaches Need Either?

Practice Better vs SimplePractice is a comparison between two EHRs that serve licensed and clinical practitioners from different directions. SimplePractice is built around therapy and related clinical professions, with documentation, treatment plans, insurance tools and telehealth for therapists, psychiatrists, speech-language pathologists and occupational therapists. Practice Better is built around wellness and nutrition, with food journaling, protocols, supplement integrations and programs for dietitians, nutritionists and functional medicine practitioners. Both describe themselves as HIPAA compliant.

The question many readers really have sits underneath that one. If you are a coach, not a therapist or clinician, do you need either? Usually not, and this guide gives you a plain test for deciding, plus what a coaching practice needs in their place.

If you land on a coaching platform, Coachful's team will rebuild your programs, forms and website for you, free on every plan, which takes most of the pain out of switching.

Who Practice Better and SimplePractice are built for

SimplePractice

SimplePractice describes itself as EHR software for health and wellness professionals and, on its homepage in October 2026, names therapists, speech-language pathologists, occupational therapists and psychiatrists, with pages for solo, group and new practices. It says over 20 million clients and 250,000 practitioners trust the platform. The tools it highlights are clinical: documentation and a template library, treatment plans, integrated telehealth, insurance tools, billing with rate tables, ePrescribe, a client portal and secure messaging. It also offers free credentialing when you sign up, and its support pages describe an AI Note Taker.

Practice Better

Practice Better calls itself "the all-in-one practice management software trusted by over 50,000 practitioners". Its audience list leads with mental health professionals and functional medicine practitioners and runs through health coaches, medical doctors, nutritionists, dietitians, personal trainers, nurse practitioners, naturopathic doctors and chiropractors. The center of the product is the wellness record: SOAP, ADIME, DAP and BIRP notes, food and lifestyle journals, protocols, labs, a medication and supplement tracker, and programs.

What Practice Better and SimplePractice have in common

Both are electronic health record systems in the practical sense: they hold a client's clinical documentation, keep it private under HIPAA, and connect that record to scheduling, telehealth and billing. Both give clients a portal for booking, forms and messages, both run on phones, and both help with insurance. If you are a licensed clinician, either can be a legitimate home for your records.

They also share a blind spot for coaches: neither puts marketing and community at the center, because a clinical practice rarely needs them inside its record system. Practice Better has no website builder, so you embed its booking widget in a site you host elsewhere, though it does offer programs, lead magnets and broadcasts. SimplePractice's homepage did not show sales funnels or a client community, and we could not verify how far its website options go, so ask before you assume.

Where they differ

  • The shape of the record. SimplePractice is organized around therapy documentation and treatment plans. Practice Better is organized around wellness data: food journals, lifestyle targets, protocols, supplements and labs.
  • Between-session work. Practice Better gives clients daily journals and programs. SimplePractice's public pages focus on sessions, documentation and billing rather than daily client work.
  • Getting paid by insurers. SimplePractice adds free credentialing at signup, a sign of how central insurance is to its customers. Practice Better handles superbills and claims too, and puts as much weight on cash-pay tools such as packages, payment plans and sliding-scale pricing.
  • Integrations. Practice Better connects to Fullscript, Rupa Health, Cronometer and That Clean Life, tools a therapist would rarely use.
  • Price transparency. Practice Better publishes plans from free for 3 clients up to $155 a month for Team, as listed in October 2026.

Choosing between them if you are a clinician

If you do need an EHR, a few practical checks will settle it faster than a feature list:

  • Write down your five most common note types. If they are progress notes and treatment plans, SimplePractice's documentation focus will feel natural. If they include ADIME notes, meal reviews and protocol updates, Practice Better fits better.
  • Count your insurance clients. A caseload that is mostly insurance-funded leans toward the tool built around insurance and credentialing. A mostly cash-pay caseload with packages and programs leans toward Practice Better.
  • Look at what clients do between sessions. If they journal food, track sleep from a wearable or follow a supplement protocol, Practice Better's client side does more of that work for you.
  • Price a full year. For Practice Better, that means the plan plus AI Charting, text reminders and ePrescribe if you prescribe; our Practice Better pricing guide totals three examples. Ask SimplePractice for the same total in writing.
  • Test the client login on a phone. Book a session as a test client and join it from a phone browser and from the app before you commit.

The coach test: do you need either one?

An EHR exists to protect and organize a clinical record. Answer these six questions honestly:

  1. Do you diagnose or treat a health condition, mental or physical?
  2. Are you licensed, and does your licensing body set record-keeping rules for you?
  3. Do you bill insurance or give clients superbills?
  4. Do you store protected health information for a covered entity, or act as one?
  5. Do you prescribe, or recommend supplements as part of a treatment plan?
  6. Do you need clinical note formats such as SOAP or DAP?

If every answer is no, you are running a coaching practice, and an EHR will mostly be empty fields. Life, career, business, executive, mindset and relationship coaches usually land here, and so do many health and wellness coaches who work on habits and behavior change without treating anything. If any answer is yes, keep that work on a compliant clinical system and get advice from your licensing body on the details. We explain the record-keeping side further in what an EHR like Practice Better is for.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

If you are licensed and you also coach

Many therapists, dietitians and nurses add coaching to their work. The safest pattern is two lanes: clinical clients on the EHR, under your license and its rules, and coaching clients on a coaching platform, with separate agreements that say clearly that coaching is not therapy or treatment. Clients should know which service they are buying, and your records should make that obvious too.

Our guide to keeping therapy and coaching separate in one practice covers intake, contracts and marketing for each lane, and trauma-informed coaching covers where coaching stops and referral begins.

What a coaching practice needs instead

Take away the clinical chart and a coaching practice still needs a client record. It just holds different things: goals, the program a client is in, habits and check-ins, agreements, session notes and payments. Here is how Coachful handles that, shown in a demo account. Coachful is not HIPAA-certified; it is GDPR-ready with full data export.

Session notes the client can actually use

Keep private notes for yourself and share the ones the client should see. Shared notes build into a running thread in the client's My Coaching hub, next to the upcoming sessions and any prep that is due.

Shared notes compiled across sessions, with prep reminders on upcoming calls, in a demo client's My Coaching.

Intake forms, check-ins and worksheets

Build forms with sliders, numbers, stars and other question types, attach them to a booking or a session, and score them. Answers sit on the client record. See coaching forms and questionnaires for the full list.

Journeys that guide the first weeks

Journeys walk a client through a path step by step, such as their first 14 days or a win-back for a client who has gone quiet. Coachful includes coaching flow and journey templates to start from.

A website that says what you do

Coaches need to be found, and an EHR is rarely where that happens. Coachful includes 30 designed homepage templates, such as Tidewater for burnout recovery coaching, plus funnels and email.

Agreements in place of consent paperwork

A coaching agreement does the job an intake consent does in a clinic: it sets scope, confidentiality, cancellation terms and the line between coaching and therapy. In Coachful you send it for e-signature before the first call, and the signed copy is stored on the client record next to the package and the sessions.

Credential hours, counted for you

If you are working toward an ICF credential, Coachful counts completed coaching hours and distinct clients against the ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours. More on ICF hour tracking.

Moving to a coaching platform? We'll build it for you, free

Coachful includes a free white-glove build service on every plan. Tap We'll build it for you · FREE, the first chip on the Create page, and choose what you want: a website, a funnel, an offer or sales page, a program, a course, a journey or coaching flow, a form or worksheet, an email sequence, a link in bio or an event page.

The We'll build it for you chip, first in line on Coachful's Create page.

Describe it and attach up to 10 files and 8 links: your program outline, intake questions, handouts, logo and photos. Video files are not accepted. The Coachful team replies by email with next steps, usually within about 24 hours, and builds it inside your account so you can edit everything later. A recent example was a psychologist-turned-coach working on emotional eating, who got a new homepage with three clear paths (book a call, join the free community, enroll in the program) and a free-community funnel that delivers a guide.

The team does not record videos, so courses arrive as written lessons, and it never invents credentials, testimonials or prices. Read the full white-glove guide, or compare more tools in Practice Better alternatives and Practice Better vs Healthie.

Frequently asked questions

What is the difference between Practice Better and SimplePractice?

Both are HIPAA-compliant EHRs. SimplePractice centers on therapy and related clinical work, with documentation, treatment plans, insurance tools, telehealth and free credentialing. Practice Better centers on nutrition and integrative wellness, with food journaling, protocols, supplement and lab integrations, and programs.

Is Practice Better or SimplePractice better for therapists?

For most therapists, SimplePractice is the more natural fit, because it is organized around therapy documentation, treatment plans and insurance. Practice Better also lists mental health professionals and offers DAP and BIRP notes, and suits therapists who blend in nutrition or wellness programs.

Is Practice Better or SimplePractice better for dietitians?

Practice Better, for most dietitians. Its food journals use a 600,000-food database with barcode and photo entries, it supports ADIME notes, and it connects to That Clean Life, Cronometer and Fullscript.

Do life coaches need an EHR like SimplePractice or Practice Better?

Usually not. An EHR protects a clinical record for diagnosis, treatment and insurance. Life coaches need goals, programs, habits, check-ins, agreements, session notes and a way to sell, which is what a coaching platform such as Coachful provides.

Can I use Coachful instead of SimplePractice?

Only for coaching work. Coachful is not HIPAA-certified and has no insurance billing, treatment plans or ePrescribe. If you provide therapy, keep those clients on a compliant EHR and use Coachful for separate coaching clients.

Which is cheaper, Practice Better or SimplePractice?

We could not verify SimplePractice's current prices. Practice Better lists Sprout free for 3 clients and paid plans from $35 to $155 a month as of October 2026, with add-ons such as AI Charting and ePrescribe extra.

Will Coachful build my coaching programs and website for me?

Yes, free on every plan. Use Create > We'll build it for you, attach your outlines, forms and logo, and the team builds them in your account, usually within about 24 hours. You record any course videos.
