Top 10 Accountability Apps for Weight Loss Coaches, Ranked

Top 10 Accountability Apps for Weight Loss Coaches, Ranked

The best accountability apps for weight loss coaches answer one question every day: did this client do the small things today, and will you notice by tonight if they stopped? Weight loss rarely stalls in a coaching call. It stalls on a Thursday evening after a bad week at work, when the food log goes blank, the step habit breaks and the weekly weigh-in quietly gets skipped. The app you pick decides whether that silence reaches you on Thursday or three weeks later when the client cancels.

Our pick is Coachful, because it puts daily habits, morning and evening check-ins, nutrition targets, progress photos, booking, payments and the client's program inside one branded app, and flags clients who go quiet. We make Coachful, so read our reasoning with that in mind; below we rank nine other tools by the specific situation each one wins, list their prices as published in October 2026, and say plainly when another app is the better fit for you.

What do weight loss coaches actually need from an accountability app?

They need a daily touchpoint that takes the client under a minute, a weekly review that shows trend rather than a single number, and an early warning when engagement drops. Everything else is secondary. A weight loss client journey has a predictable shape: an early burst of motivation, a first plateau, and a long middle where the habits either become automatic or slowly fall away. Your software should be strongest in that middle stretch.

In practice, that means five jobs:

  • Daily habit and check-in capture. Water, steps, protein at breakfast, a ten-minute walk after dinner, sleep by 11. Clients tick these off on their phone; you see streaks and completion rates without opening a spreadsheet.
  • Nutrition visibility that does not turn into a second job. Some coaches set calorie and macro targets, others coach plate habits and never count anything. The app should support both, with food lookup and barcode scanning for clients who log.
  • Weekly check-ins with measurements and photos. Scale weight swings day to day, so most coaches pair it with waist measurement, progress photos and a short reflection. Photos must stay private between client and coach.
  • Alerts for quiet clients. The client who stops checking in is the one about to quit. A status like "at risk" or "quiet" on the client list is worth more than any chart.
  • Somewhere to talk between calls. Direct messages, a group feed for a cohort, or both. Weight loss is lonely; group programs work partly because members see each other showing up.

There is also a scope question. Weight loss coaching is not medical treatment. Your app will collect body measurements, photos and sometimes notes about medications or health conditions, which is a reason to keep coaching records separate from anything clinical and to refer out early. We cover that in the mistakes section, and our guide to what weight loss coaching is and where it ends goes further.

Which app wins for which situation? Quick picks

Coachful is the best overall choice, and each of the other nine wins a narrower situation. Use this table to jump to the one that matches your practice.

How we ranked: one login for the whole client journey, strength of between-session accountability, total monthly stack cost at your client count, and setup effort (including whether someone will build it for you).

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

How did we choose these ten apps?

We started from what weight loss coaching needs between sessions and asked how much of that each tool covers without bolting on a second or third product. We did not run hands-on trials; we worked from each vendor's own documentation and pricing pages, plus what public reviewers report on Trustpilot.

  • Between-session accountability (heaviest weight). Daily habits, check-ins, streaks, nutrition logging, measurements and photos, and some way to see who has gone quiet.
  • One login for the client journey. Can a client book, pay, sign an agreement, follow the program and talk to you without leaving the app?
  • Total stack cost. The app's price at 5, 15 and 40 clients, plus what you would still need to buy (scheduler, payments add-on, email tool, website).
  • Setup effort. Templates, imports, and whether the vendor will build anything for you.
  • Honest limits. Client caps, add-ons, data export gaps and anything the vendor states it does not do.

Fitness-first apps score well on workouts and food logging but usually stop at the training relationship. Practice-management tools score well on records and billing but are thinner on daily habits. Coachful ranks first because it covers both halves of the job. For the general version of this question across all coaching niches, see our guide to client accountability software for coaches.

1. Coachful: the best overall accountability app for weight loss coaches

Wins when: you run multi-week weight loss programs, 1:1 or in groups, and want the daily accountability, the nutrition side and the business side in one place your client opens every morning.

A laptop and tablet showing a client goal page and a check-in flow library beside a meal-prep container
Coachful's client goal page with daily momentum and the coach's check-in flow library, shown on a laptop and tablet beside a meal-prep box.

Coachful is a coaching platform. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. You get one login; your client gets one app carrying your branding inside the Coachful app. It suits coaches who deliver programs rather than single sessions, solo coaches growing into a small team, and anyone currently juggling four to six tools.

The daily loop: habits, check-ins and streaks

Programs in Coachful run week by week, with weekly goals, daily tasks, habits, and morning and evening check-ins. For a weight loss client, a morning check-in might ask about sleep and hunger, and the evening one about whether they hit protein and their walk. Habits show streaks, and goals carry progress bars, so the client sees "Walk after dinner: 12 of 30 days" rather than a vague sense of trying. The coaching flows library ships with Welcome, Daily, Weekly and Journey templates you can edit, so you are not writing every check-in question from scratch.

Here is a short walkthrough of how check-ins are set up and what clients see:

Nutrition, measurements and photos with the Fitness & Nutrition pack

The Fitness & Nutrition pack adds what weight loss coaching specifically needs: nutrition targets up to calories and macros, meal plans, recipes, food lookup and barcode scanning, private progress photos and measurements, and weekly check-ins. If your method includes movement, there is a workout builder with an illustrated exercise library (supersets, circuits, AMRAP, EMOM, intervals and tempo), client workout logging with set history and PRs, and private form-check video with timestamped coach comments. You attach your own demo videos; there are no stock exercise videos. Challenges work well for a group: a 14-day step or vegetable challenge inside a cohort gives the long middle of a program some energy.

Seeing who has gone quiet

Every client record holds goals, check-ins, habits, notes, intake answers, tags, payments and sessions, plus an AI briefing per client. Each client also carries a status: thriving, active, quiet or at risk. For a weight loss coach this is the most useful screen in the product, because the client sliding from active to quiet in week six is exactly the client you need to message today.

Coachful client grid with status tags and client insight metrics
Coachful's client view with demo clients, status tags and illustrative task completion and check-in rates.

Michelle, the built-in AI assistant, works from that live practice data. She can brief you before a session (for example, flagging that a client's evening check-ins dropped after a holiday weekend), summarize recorded sessions, draft the follow-up email and build out a program. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. If you want clients to have support between calls, the AI Coach is an AI version of you that selected clients can chat with; you configure what it covers.

Everything around the program

Clients book through pages with availability rules, buffers and time-zone detection, with two-way Google, Apple and Outlook calendar sync and built-in video or auto-created Zoom, Meet or Teams links. Reminders go by email, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled. Payments run through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, coupons and refunds, with a 0% Coachful platform fee, so you pay only processing. Coaching agreements with e-signature go out before the first call. Cohort groups are created automatically when someone enrolls in a group program, so your eight-week reset group has its feed and chat from day one. Courses, a section-based website with a blog, funnels and email sequences are part of the same account, which matters when your lead magnet is a "7-day meal reset" and you want the sign-ups flowing straight into a sequence.

What Coachful does not do

Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. It does not sync with Garmin, Fitbit, Whoop or Oura, and Apple Health sync is not publicly available, so step counts are client-entered habits rather than wearable data. There is no PayPal and no permanent free plan, and the client app ships under the Coachful listing with your branding rather than under your own App Store account. Plans are flat monthly, lower plans cap the number of clients, Pro is unlimited, and monthly plans cancel in one click (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients).

Why Coachful stands out: a free white-glove service. From Create > We'll build it for you · FREE, you describe what you want built, such as a weight loss program with weekly check-ins, a lead-magnet funnel, a sales page or a welcome email sequence, and attach up to 8 reference links and up to 10 files (logos, photos, brand guides, copy, documents). The Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and any gaps are left for you to fill. For example, a menopause and midlife health coach starting from nothing got a five-page site in sage and cream with every button leading to a free 20-minute consultation. Recording videos, logo design, ad management and ongoing marketing are not included. Read more about the free white-glove build service.

2. Everfit: best free start for your first five clients

If you have a handful of clients and no budget yet, Everfit's Starter plan is free forever for up to five clients, which is the most generous free tier among the fitness-first apps here. That makes it a reasonable place to test whether a daily-logging app suits your coaching style before paying for anything.

Everfit homepage introducing its fitness coaching app for workouts, habits and nutrition
Everfit's homepage in October 2026.

Everfit is a fitness coaching app built around workouts, habits, nutrition and messaging. For weight loss work, the habits and nutrition pieces carry most of the load: you assign daily habits, clients log food and training on their phone, and you message them in the app. Coaches whose method blends a training plan with eating habits will find the core loop familiar.

The paid tiers scale by client count. As listed in October 2026, Pro starts at $19/month for 5 clients ($16 billed annually), then $29 for 10, $49 for 20, $95 for 50, $140 for 100 and $290 for 300. Studio starts at $105/month for 50 clients and scales to 500 clients at $430. A 30-day free trial with no contract and no credit card is offered on paid plans.

The limits show up as you grow. Automation (Everfit calls it Autoflow), payments and meal plans are paid add-ons, so the price you see for your client tier is not the price of the setup most weight loss coaches want. There is no course builder, no website or funnel builder and no email marketing, which means your "free 5-day reset" lead magnet, your sales page and your nurture emails live in other tools. Public reviewers on Trustpilot gave Everfit 2.7 from 16 reviews when we checked in October 2026, a small sample worth reading before you commit.

For weight loss specifically, the gap that matters most is the business side. A typical twelve-week weight loss offer needs a booking link for the discovery call, a payment plan, an agreement and a welcome sequence. In Everfit, each of those is either an add-on or a separate subscription.

Pick it over Coachful if you have five or fewer clients, coach mainly through workouts plus habits, and want to spend nothing until you have proven the offer.

3. HubFit: best flat price for a growing online training roster

HubFit wins for coaches who expect to grow past 20 clients quickly and want a price that does not move with every new sign-up. Its Standard plan covers up to 50 clients at one flat rate, which is unusual among fitness apps that price per client.

HubFit homepage introducing its online training app for coaches
HubFit's homepage in October 2026.

HubFit is an online training app with programs, nutrition, habits and check-ins. A weight loss coach can build a training block, set nutrition guidance, assign habits and collect check-ins in one client view, and the app is free for clients. Public reviewers rate it highly: Trustpilot showed 5 from 390 reviews in October 2026.

As listed in October 2026, Standard is $39/month ($33 billed annually) for up to 50 clients, Premium is $69/month ($57 annually) for up to 100, and Ultimate is $119/month ($99 annually) for 100 clients, scaling to $209 for 200, $289 for 300, $359 for 400 and $419 for 500, with sales contact beyond 1,000. Every plan has a 14-day free trial.

The fine print is where weight loss coaches should slow down. Branding and payments start at Premium, so if you want clients to pay inside the app, budget for $69 rather than $39. Team members and Zapier start at Ultimate. A branded app is a separate $189/month add-on. HubFit does not offer scheduling or booking, video calls, contracts or a website builder, per its older profile, so discovery calls, signed agreements and your sales page sit elsewhere.

That makes HubFit a strong delivery tool with a thin front door. If your clients come from referrals and you run payments through a simple Stripe link, it can work well. If you sell through a funnel and want the client to move from lead magnet to booked call to paid program without changing apps, you will be assembling a stack around it.

Pick it over Coachful if your business is mainly online training with nutrition on the side, you already have a booking tool and website you like, and you want a fixed price up to 50 clients.

4. PT Distinction: best for automated weekly check-ins on a mid-range budget

Coaches who want check-ins to arrive on schedule without chasing anyone, and who want a branded client app without paying for a separate add-on, should look at PT Distinction. Its Pro plan includes the branded app and 25 clients.

PT Distinction pricing page with Basic, Pro and Master plans
PT Distinction's pricing page in October 2026.

PT Distinction is online personal-training software covering programs, nutrition, check-ins, automations and a client app. For weight loss, the automations matter: you can set the weekly check-in to go out on the same day each week and focus your time on the replies rather than the reminders. Trustpilot showed 4.8 from 297 reviews in October 2026.

Pricing mixes an included client count with per-client overage. As listed in October 2026, Basic is $19.90/month with 3 clients included and extra clients at $6.00 each per month (after one free month); Pro is $59.90/month with 25 clients and extras at $2.40; Master is $89.90/month with 50 clients and extras at $1.60. There is a one-month free trial, and you can cancel in that first month and pay nothing.

The overage model means a little arithmetic. At 5 clients on Basic you would pay about $31.90 ($19.90 plus two extra clients at $6), and at 40 clients Master at $89.90 beats Pro with 15 extras ($95.90). The branded client app starts at Pro, not Basic.

What it lacks for a weight loss business is everything outside the training and nutrition relationship. Its pricing page does not show a course builder, community or website and funnel builder, so a group program with a cohort feed, or an evergreen course like "Eating Out Without Undoing Your Week," needs another platform. Our roundup of course platforms for weight loss coaches covers those options.

Pick it over Coachful if you run 1:1 online training with nutrition check-ins, want check-in automation as the centrepiece, and do not plan to sell courses or run group communities.

5. Practice Better: best when you work alongside dietitians or need charting

When your weight loss coaching sits inside a wider wellness practice, perhaps sharing clients with a registered dietitian or a nutritionist who needs charting and telehealth, Practice Better is built for that setting. It is practice-management software for wellness and nutrition practitioners.

Practice Better homepage introducing its practice management platform for wellness practitioners
Practice Better's homepage in October 2026.

It covers scheduling, telehealth, charting, billing, programs and a client portal. That combination fits a practice where some clients see a coach for habits and others see a clinician for medical nutrition therapy, and both need records in one place. It is one of the direct substitutes for Coachful in this list, with the emphasis on records and billing rather than daily habit loops.

As listed in October 2026, Sprout is free for 3 clients with 100 MB of storage; Starter is $35/month ($25 annually) for 10 clients; Professional is $69/month ($59 annually) for 300 clients; Plus is $99/month ($89 annually) for unlimited clients and 3 admins; and Team is $155/month ($145 annually) for 2 practitioners, with more at $50 each. Trials are 30 days on Team and 14 days on other paid plans.

The features a weight loss coach will notice as gaps are gated. Evergreen programs, portal branding, a custom URL and SMS start on Plus at $99/month, so a self-paced "12-week reset" program that clients can join any time needs the higher plan. There is no website builder or funnel pages, per its older profile, so your marketing lives elsewhere. Below Team, each account is one practitioner. Trustpilot showed 3.8 from 87 reviews in October 2026.

For coaches who are not part of a clinical practice, the charting tools can feel heavier than the job requires. A coach running daily habits and weekly reflections may find they spend more time in forms than in the client relationship.

Pick it over Coachful if you share clients with licensed practitioners, need charting and telehealth in one record, and value a practice-management workflow over a daily accountability app.

6. CoachAccountable: best for metric-driven 1:1 accountability

CoachAccountable suits the coach who runs weight loss as a structured 1:1 engagement: each client has an action plan, a few tracked metrics such as weekly weight, waist and steps, and worksheets between sessions. As the name suggests, accountability is the whole point of the product.

CoachAccountable homepage introducing its coaching back office software
CoachAccountable's homepage in October 2026.

It is a coaching back office: sessions, action plans, metrics, worksheets, courses, invoicing and agreements. For weight loss, the metrics tool is the draw, because you can track the handful of numbers you care about and review them with the client each week. Public reviewers rate it well; Trustpilot showed 4.8 from 47 reviews in October 2026.

Prices are per active client. As listed in October 2026: Starter $20/month for 2 active clients, Level 1 $40 for 5, Level 2 $70 for 10, Level 3 $120 for 20, Level 4 $250 for 50 and Level 5 $400 for 100. A 30-day free trial with no credit card and no limits is offered.

That per-client model is the main limit for weight loss coaches who run groups. A 30-person eight-week cohort puts you on Level 4 at $250 a month for the duration, which is a lot for a program that might sell for a few hundred dollars per person. The older profile also notes no native mobile app, which matters in a niche where the daily check-in has to be effortless on a phone. There are no landing pages, website or marketing automation, per the older profile, and the vendor states it is not HIPAA compliant.

Where it shines is depth for a small 1:1 roster. If you coach ten clients at a premium rate and want each session to open with the client's numbers, it is well built for that.

Pick it over Coachful if you coach a small number of 1:1 clients, want metric tracking as the centre of each session, and do not need a client app, community or website.

7. ABC Trainerize: best when your weight loss method starts with training

For coaches whose weight loss programs are workout-led, with nutrition and habits layered on, ABC Trainerize is one of the best-known personal-training apps and offers a large fitness feature set.

ABC Trainerize homepage introducing its personal training and client coaching app
ABC Trainerize's homepage in October 2026.

Trainerize covers workouts, habits, nutrition tracking and messaging, priced by client seats. The habit tool lets you assign daily behaviours like water and steps alongside the training plan, and clients track nutrition in the same app. For a coach who thinks of fat loss as "three strength sessions, 8,000 steps and protein at each meal," that maps directly.

As listed in October 2026, Basic is free for 1 client, Grow is $10/month ($9 annually) for 2 clients, and Pro starts at $25/month ($23 annually) for 5 clients, with Pro tiers at 15, 30, 50, 75, 100 and 200 clients. We did not capture the prices for the larger Pro tiers, so check the pricing page for your client count. Studio Plus is $275/month ($248 annually) for 500 or more clients across locations. A 30-day free trial with unlimited clients and no credit card reverts to the free one-client plan if you do not upgrade, and add-ons are not included during the trial.

The add-on list is where the cost grows. Scheduling, selling products, payments, video and advanced nutrition are separate paid add-ons below Studio, and in-app payments need the Stripe Integrated Payments add-on. There is no course builder, website, funnels or email marketing. The older profile also reports that client data export is incomplete, without messages, photos or attachments, which matters if you ever move and want your clients' progress photos to come with you. Trustpilot showed 3.1 from 100 reviews in October 2026.

Pick it over Coachful if your offer is primarily personal training, you want a large workout-programming toolset, and you are comfortable paying for the add-ons you need.

8. My PT Hub: best for trainers mixing in-person sessions with online check-ins

Personal trainers who see some weight loss clients in the gym and others online will find My PT Hub covers both: workouts, nutrition, bookings, payments, habits, check-ins and a client app. Its Premium plan has no client cap.

My PT Hub pricing page with Starter, Premium and Ultimate plans in euros
My PT Hub's pricing page in October 2026 (it shows euro prices).

That combination of bookings and payments with habits and check-ins makes it broader than most fitness-first apps here. A trainer can book a Tuesday gym session, take the payment and send the weekly check-in from the same account. Trustpilot showed 4.4 from 2,557 reviews in October 2026, the largest review count on this list.

As listed in October 2026, Starter is $25/month ($22.50 annually) for 3 clients (one My PT Hub blog post says 5), 50 workouts and 50 nutrition plans; Premium is $59/month ($52 annually) for unlimited clients, workouts and nutrition plans; Ultimate is $215/month ($195 annually) with five additional trainers included. The pricing page we captured displays euros, so the currency you see may differ. A 30-day free trial needs no card details and downgrades to the free plan at the end.

The Starter cap of 3 clients means almost every working coach lands on Premium. A white-label app store listing is a paid add-on below Ultimate. The pricing page does not show a course builder, website or funnels, or email marketing, so group weight loss programs and lead generation need other tools.

Pick it over Coachful if you are a personal trainer whose weight loss clients are split between gym sessions and online coaching, and you want unlimited clients at one price without needing courses or a website.

9. Quenza: best for behaviour-change worksheets around emotional eating

Some weight loss coaches spend more time on the "why" than the "what": emotional eating, all-or-nothing thinking, stress and sleep. Quenza is a client-engagement tool for coaches and therapists built around activities, worksheets and programs, which suits that style.

Quenza homepage introducing its client engagement app for coaches and therapists
Quenza's homepage in October 2026.

You can send a client a short reflection on a hard evening, a hunger-and-fullness worksheet or a multi-step program of exercises, and talk to them through chat in the client app. For coaches whose sessions draw on cognitive and reflective work, that worksheet depth is the appeal. Trustpilot showed 4.3 from 8 reviews in October 2026, a very small sample.

As listed in October 2026, Spark is $25/month ($20 annually) for 1 professional and 10 clients; Growth is $50/month ($40 annually) for 250 clients; Impact is $125/month ($100 annually) for 400; Collective is $160/month ($128 annually) for up to 3 professionals and 500 clients; Beyond is quoted. A 30-day free trial needs no credit card.

The limits are significant for a paid weight loss program. Quenza has no client payment processing today; invoicing and digital products are marked as planned. The older profile lists no scheduling or video calls. Nutrition logging, measurement tracking and progress photos are not among the features we found listed, so the physical side of weight loss accountability sits elsewhere. Spark caps at 10 clients.

Pick it over Coachful if your weight loss work is mostly mindset and emotional eating, you want a deep worksheet library, and you handle booking and payments with separate tools.

10. TrueCoach: best for strength-first fat loss programming

TrueCoach rounds out the list for coaches whose method is built on progressive strength training, with fat loss as the outcome. It is a strength and fitness programming app priced by active-client cap.

TrueCoach homepage introducing its strength and fitness programming app
TrueCoach's homepage in October 2026.

Its focus is the training plan: you write programs, clients log them, and you review. For a coach who believes the best fat-loss habit is getting stronger three times a week, that focus can be a feature. Automated payments run through Stripe, with no extra TrueCoach fees per its FAQ.

As listed in October 2026, prices are shown billed annually: Starter $26.34/month for up to 5 active clients, Standard $57.99/month for up to 20, and Pro $136.99/month for up to 50, with Custom above that. Monthly prices were not shown on the page we reviewed. There is a 14-day free trial with no credit card, and first-time annual subscribers get a 90-day money-back guarantee with restrictions.

For weight loss accountability, the gaps are wide. The older profile lists no video calls, contracts, courses, community or website, and the pricing page feature list does not include scheduling. In-app payments are limited to coaches banking in the US, UK, Canada and Australia, per the older profile. Habit and nutrition tracking are not described in the vendor details we reviewed, so confirm them directly if they are central to your method. Trustpilot showed 2.4 from 19 reviews in October 2026.

Pick it over Coachful if your coaching is strength programming first, your clients need little daily habit support, and you bank in one of the four supported countries.

How do the features compare side by side?

Coachful is the only app in this list that covers daily accountability, nutrition, booking, payments, courses or community, and a website with email in one account. "Not stated" means the vendor's pricing page or our profile data did not list it; check directly if it matters to you.

What does each app cost at 5, 15 and 40 clients?

At small rosters the fitness apps look cheapest, but the comparison changes once you add the payments, booking and email tools they leave out. These are monthly list prices in October 2026 for the cheapest plan that fits each client count, before add-ons.

What do three realistic weight loss coaching stacks cost per month?

Here are three example setups for a coach with about 15 clients, built from the prices above. They are illustrations, not quotes; tools whose prices we did not verify are noted rather than guessed.

StackWhat it includesMonthly cost (15 clients)Logins
CoachfulCoachful with the Fitness & Nutrition pack: check-ins, habits, nutrition, booking, payments, agreements, community, courses, website, emailSolo: $49/month for up to 20 clients1
Fitness app plus mindset toolEverfit Pro 20-client tier ($49) plus Quenza Growth ($50), with a separate booking tool, website and email tool not priced here$99 plus booking, website and email4 or more
Practice plus training appPractice Better Professional ($69) for booking, billing and records, plus HubFit Standard ($39) for daily habits and training, with a website and email tool not priced here$108 plus website and email3 or more

The cost gap matters less than the login gap. Every extra app is another place your client might forget to open, and in weight loss coaching, the day a client stops opening an app is usually the day their progress stops too. Our habit tracking apps for weight loss coaches comparison goes deeper on the daily-logging side.

How would a weight loss coach set this up in Coachful?

A twelve-week group program with weekly 1:1 check-ins takes about an afternoon to set up, or less if you ask the white-glove team to build it. Here is one example sequence.

  1. Request the build. From Create, choose We'll build it for you, describe a 12-week program ("weeks 1 to 4 foundations, weeks 5 to 8 plateau tools, weeks 9 to 12 maintenance"), and attach your existing PDF handouts and logo.
  2. Set the daily habits. Pick three to five: water, a daily step target, protein at breakfast, an evening walk and a lights-out time. Keep the list short; you can add more in week five.
  3. Write the check-ins. A morning check-in (sleep, hunger, energy on a 1 to 5 scale) and an evening one (habits hit, one win, one obstacle). Start from the Daily templates in the coaching flows library.
  4. Turn on the Fitness & Nutrition pack. Set calorie or macro targets only for clients who want them, and enable weekly check-ins with measurements and private progress photos.
  5. Connect payments and agreements. Link your Stripe Connect account, set a payment plan for the program, and attach a coaching agreement that clients sign before the first call, including your scope and referral language.
  6. Open booking. Create a free discovery call type with intake questions such as current activity level and any health conditions a doctor is managing, and a paid weekly check-in call using session credits.
  7. Launch the cohort. When clients enroll, Coachful creates the cohort group automatically. Post a week-one welcome and schedule a 14-day step challenge for the middle of the program, when early motivation tends to fade.
  8. Review every Friday. Open the client list, sort by status, and message anyone marked quiet or at risk before the weekend. Ask Michelle for a briefing before each 1:1 call.

What mistakes do weight loss coaches make when choosing an accountability app?

The most common mistake is buying for features you will demo once and ignoring the daily experience your client has on a phone at 9 p.m. A few others come up often:

  • Tracking too much. Ten daily habits plus full food logging plus a mood scale burns clients out by week three. Start with three to five habits and add only when one becomes automatic.
  • Making the scale the only metric. Daily weight is noisy. Pair it with measurements, photos, habit completion and how clothes fit, so a flat week on the scale does not read as failure.
  • Pricing yourself into a per-client trap. Per-active-client pricing is fine for ten 1:1 clients and expensive for a 30-person cohort. Run your numbers at your target roster, not today's.
  • Ignoring data export. Progress photos and check-in history are the record of a client's journey. Check what the export includes before you need it.
  • Blurring coaching and clinical care. Weight loss coaching supports behaviour change; it does not diagnose, prescribe or treat. Refer clients to their doctor before changing diet or activity substantially if they have diabetes, heart disease, are pregnant, are taking weight loss medication, or are losing weight very quickly. Refer to a registered dietitian for medical nutrition therapy, and to a qualified clinician at any sign of disordered eating. The NIDDK weight management pages and the CDC's guidance on losing weight are good neutral references to share, and the National Board for Health & Wellness Coaching sets out the scope of health coaching.
  • Putting clinical records in a coaching app. If you need HIPAA compliance, use a tool that signs a BAA. Coachful does not, and neither does CoachAccountable by its own statement.

Which accountability app should a weight loss coach choose?

Choose Coachful if you run programs and want the daily check-in, the nutrition targets, the quiet-client alert, the booking link, the payment plan and the cohort feed in one app your client opens every day. It is the only option here that covers the whole client journey without a second subscription, and the free white-glove build removes most of the setup work.

Choose Everfit if you are testing with five or fewer clients and want to start free. Choose HubFit for a flat price up to 50 training clients, PT Distinction for automated check-ins with a branded app, Practice Better if you share clients with dietitians, and CoachAccountable for a small, metric-driven 1:1 roster. Trainerize, My PT Hub, Quenza and TrueCoach each fit a narrower style: workout-led, gym-plus-online, mindset-first or strength-first. Explore more on the client accountability software page.

Frequently asked questions

What is the best accountability app for weight loss coaches?

Coachful ranks first because it combines daily habits, morning and evening check-ins, nutrition targets with barcode scanning, private progress photos, booking, payments and a cohort community in one branded client app. It also flags clients as quiet or at risk, which is when most weight loss clients drift away.

Can I track clients' calories and macros in Coachful?

Yes. The Fitness & Nutrition pack sets nutrition targets up to calories and macros, and includes meal plans, recipes, food lookup and barcode scanning. You can also coach without numbers by using habits and check-ins instead.

Does Coachful sync with Fitbit, Garmin or Apple Health?

No. Coachful does not sync with Garmin, Fitbit, Whoop or Oura, and Apple Health sync is not publicly available. Clients enter steps or activity as habits or check-in answers.

What is Coachful's free white-glove service?

It is a free build service on every plan: you describe what you want, such as a weight loss program, funnel, sales page or email sequence, attach links and files, and the Coachful team builds it inside your account, usually within about 24 hours. It does not invent credentials, testimonials or prices, and it does not include recording videos, logo design or ad management.

Is a free app good enough for a new weight loss coach?

For your first few clients, a free tier like Everfit's (up to 5 clients) or Practice Better's Sprout (3 clients) can work. Once you add booking, payments, agreements and email, you will usually be paying for several tools, so compare the full stack rather than the app alone.

Is Coachful HIPAA compliant?

No. Coachful is not HIPAA-certified and does not sign a BAA, so it is not suitable for clinical records or insurance billing. It is GDPR-ready and built for coaching, not treatment.

How many daily habits should a weight loss client track?

Most coaches start with three to five, such as water, steps, protein at breakfast and a consistent bedtime. Adding more once one becomes automatic tends to work better than starting with a long list.

Can I run group weight loss programs in these apps?

In Coachful, enrolling clients in a group program creates a cohort group automatically, with a feed, group chat and video events. Most of the fitness-first apps here do not include a community, and per-client pricing in tools like CoachAccountable makes large cohorts expensive.

When should a weight loss coach refer a client to a doctor or dietitian?

Refer before major changes if a client has a medical condition such as diabetes or heart disease, is pregnant, takes weight loss medication, or is losing weight very quickly. Refer to a registered dietitian for medical nutrition therapy and to a clinician at any sign of disordered eating.

Can I move my clients' data out of Coachful later?

Yes. Coachful exports full client data as a ZIP, including the roster, notes, check-ins, goals, habits, sessions and form responses, and courses can be exported too.
