Best App for Mental Health Coaches: 5 Options Ranked

Best App for Mental Health Coaches: 5 Options Ranked

The best app for mental health coaches is the one your clients actually open on a hard Tuesday: it asks how they slept, reminds them of the one small practice they agreed to, lets them message you, and shows them they are making progress. So the deciding question is not which back office has the most features. It is what your client sees on their phone between sessions, and whether that view is connected to everything you do behind the scenes.

Our pick is Coachful's client app, available on iPhone and Android, where each client sees your branding, your programs, daily check-ins, habits, messages and community inside the Coachful app. We make Coachful, so weigh that, and read the other four entries closely: Mighty Networks, Kajabi, Practice Better and Circle each win for a specific kind of practice, and we say which.

One scope line before the list. Mental health coaching is not therapy. A coaching app supports wellbeing goals, routines and accountability; it is not a place for diagnosis, crisis care or clinical records. If a client discloses risk, you refer. In the US, the 988 Suicide and Crisis Lifeline (call or text 988) is the number to have ready, and our guide to mental-health warning signs in coaching covers recognition and referral in detail.

Which questions should you answer before choosing a client app?

Answer five questions about your practice first; the answers narrow five options to one or two in a few minutes. Write your answer to each down, then use the table in the next section.

  1. Is your work mostly 1:1, mostly group, or both? A 1:1 practice needs private check-ins, notes and booking. A group practice needs a community feed and live events. Most mental health coaches end up doing both: private sessions plus a cohort or membership.
  2. Do clients need a daily touchpoint? Stress, sleep, burnout and confidence work tends to live in small daily actions. If you want clients to log a mood, answer a morning question or tick off a breathing practice, the app needs native check-ins and habits, not just a content library.
  3. Do you sell content at scale or deliver programs to known clients? Selling a course to hundreds of strangers is a different job from walking twelve clients through a 12-week program with weekly goals.
  4. Does the app need to sit under your own App Store listing? Some coaches want a listing with their own name in the App Store. Others are happy for clients to download one app and see the coach's branding inside it. The first costs more and takes longer.
  5. How many clients will you have in a year, and how many tools are you paying for now? Per-client pricing, platform fees on sales and add-ons change the real cost a lot between 5 and 40 clients.

Which app fits your answers?

Match your answers to the row that sounds most like your practice. The first pick is the one we would start a trial with; the second is the closest alternative.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

What do mental health coaching clients actually do in an app each week?

They do small things often. A typical week for a client working on stress or burnout looks like a short morning check-in (sleep, mood, energy), one or two habits such as a five-minute breathing practice or a phone-free hour, a lesson or worksheet tied to this week's theme, a message to the coach when something goes sideways, and a session to book or attend. Group clients add a community post or a live call.

That pattern sets the bar. An app that only holds videos misses the daily part. An app that only books sessions misses the between-session part. And an app that does both but forces the client into three different logins loses them by week three, which is when motivation tends to dip. We built the ranking around that.

How did we rank these apps?

We ranked on what the client experiences and what it costs you to run, using what each vendor documents and what public reviewers report; we did not run hands-on tests of the other tools.

Criteria: one login for the whole client journey, between-session delivery (check-ins, habits, programs, messaging), total stack cost, iPhone and Android availability, branding, and setup effort including the free white-glove build.

Prices are as listed in October 2026. Three common coaching tools are missing on purpose: CoachAccountable, Paperbell and Satori are coaching back offices, but none has a native mobile app according to our older profiles of each, so clients use them through a mobile browser. That is workable for paperwork and booking, and weak for a daily check-in habit.

1. Coachful: why is it the best app for mental health coaches?

Coachful puts the whole client journey in one app: booking, the signed agreement, the program, daily check-ins, habits, goals, messaging, community, courses and payments, with one login for you and one branded app for the client. For mental health coaching, where progress lives in small daily actions, that matters more than any single feature.

What the client sees on their phone

Clients download the Coachful app on iPhone or Android and see your branding, your programs and your content inside it. To be precise about what that means: it is not your own App Store listing. The app ships under the Coachful listing, and your brand appears once the client is inside. For most solo coaches that is the right trade, because you skip developer accounts, app review and per-platform fees, and the app works on day one.

Inside, the client's day is built around what you set up:

  • Morning and evening check-ins. You write the questions (how did you sleep, what is one intention for today, what went well), and the client answers in under a minute. Answers land on their client record for you.
  • Habits with streaks. A breathing practice, a walk, journaling, a screen-free hour. Each habit shows progress and a streak, which gives clients a visible sign they are keeping promises to themselves.
  • Goals with progress bars. A goal such as "sleep seven hours on weeknights" links its daily tasks and habits, with daily and weekly reflection below.
  • Multi-week programs. Weekly goals and daily tasks, so a 12-week burnout recovery program unfolds one week at a time rather than as a pile of videos.
  • Messaging and community. Direct messages with you, a community feed, group chat and video events. When someone enrolls in a program, Coachful creates the cohort group automatically.
  • Courses and resources. Modules, lessons with drip and completion tracking, downloads, videos, worksheets and books, all delivered into the client's branded home and app.
  • Sessions. The next session, booking, and email reminders, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled.

What you see behind it

Every check-in, habit and goal feeds the client record, which also holds notes, intake answers, tags, payments and sessions. Each client carries a status of thriving, active, quiet or at risk, so you can spot the client who stopped checking in before they quietly drop out. For a mental health coach, "quiet" is often the most useful signal in the whole product: it tells you who to message today.

Michelle, the built-in AI assistant, works from that live practice data. She briefs you before a session, summarizes recorded sessions, drafts follow-up emails and can build a program outline from your notes. If you are working toward an ICF credential, she can also give private feedback on your coaching against ICF Core Competencies 3 to 8, and Coachful counts your coaching hours against ACC, PCC and MCC thresholds. Questions and planning with Michelle are included in your Coachful membership; confirmed builds and changes use AI credits. You can also configure an AI Coach, an AI version of you that selected clients can chat with between sessions. For mental health work, decide carefully which clients get it and set clear expectations that it is not a crisis line.

The check-in flows themselves are set up in a library of coaching flows (welcome, daily, weekly and journeys). This short walkthrough shows how check-ins are built and what the client answers:

The rest of the practice, in the same subscription

One subscription also covers booking pages with availability rules and two-way Google, Apple and Outlook calendar sync, built-in video or auto-created Zoom, Meet and Teams links, coaching agreements with e-signature sent before the first call, and payments through your own Stripe Connect or Razorpay account (subscriptions, payment plans, coupons, Apple Pay and Google Pay). There is a 0% Coachful platform fee; you pay only Stripe or Razorpay processing. You also get a website builder with 30 designed homepage templates, funnels, email sequences and more than 40 program templates. If you are replacing four to six tools, that is where the cost difference shows up. See Coachful for mindset coaches and Coachful for health coaches for niche setups.

What Coachful does not do

Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. If you also practise as a licensed therapist, keep clinical records in a clinical system. There is no PayPal, no permanent free plan, and no Garmin, Fitbit, Whoop or Oura sync; Apple Health sync is not publicly available. And again, the client app is your branding inside the Coachful app, not your own App Store listing.

Why Coachful stands out: a free white-glove service. From Create > We'll build it for you, you describe what you need (a website, a funnel, a program, a course outline, a check-in flow, an email sequence or a worksheet), attach up to 8 reference links and up to 10 files, and the Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. One recent example: a menopause and midlife health coach starting from nothing got a five-page site in sage and cream with every button leading to a free 20-minute consultation. It does not cover recording videos, logo design or ad management. Read more in our guide to the free white-glove service.

Who it is for: mental health, mindset and wellbeing coaches who deliver programs, not just sessions, and who want one app for clients plus one login for themselves. How to start: begin a free trial, then request the white-glove build so your first program and check-ins are ready before your first client signs up. Current plans: (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients).

2. Mighty Networks: is a community app enough?

For group-first mental health coaches, Mighty Networks is a strong client app: members get courses, a community and live events in a Mighty-branded app on their phone. What it lacks is the private, per-client layer: there are no 1:1 scheduling, invoicing or contracts, and no per-client habits, check-ins or private coaching plans.

Mighty Networks homepage introducing its community, courses and events platform
Mighty Networks's homepage in October 2026.

Where members spend their time

Mighty Networks combines community, courses and events in one network. For a coach running, say, a six-week stress-reset cohort or an ongoing peer-support style membership (coaching, not therapy), the feed and livestreams are the center of the experience. As listed in October 2026, the Launch plan includes 3 hosts, 10 moderators, 200 GB of storage and 20 hours a month of livestreaming for up to 100 attendees. Scale raises that to 30 hours and 200 attendees.

Members use Mighty-branded apps. If you want an app under your own name in the stores, that sits on Mighty Pro, which is custom-priced.

The cost to watch

Launch is $95/mo ($79/mo billed annually) and Scale is $215/mo ($179/mo annually). On top of that, Mighty takes a platform fee on sales: 2% on Launch, 1% on Scale and 0.5% on Growth and Mighty Pro, plus Stripe processing. There is a 14-day trial with no credit card required. Mighty Networks holds a Trustpilot rating of 3.3 from 219 reviews (seen October 2026).

The gap for a mental health coach is the 1:1 side. You would still need a separate booking tool, a payment and contract tool, and something for private check-ins if you take individual clients. That is two or three more logins for you, and usually one more for the client.

Pick it over Coachful if your offer is mainly a community with courses and live events, you rarely see clients 1:1, and you are comfortable paying a percentage of sales as you grow.

3. Kajabi: when does a course-first app make sense?

Kajabi makes sense when you sell self-paced content to a large audience and want an app under your own name. Its help center documents a Branded App with iOS and Android listings set up through your own Apple and Google developer accounts. It is weaker at the daily, private side of coaching: Kajabi has no habit tracking or daily client check-ins.

Kajabi homepage introducing its platform for selling courses and digital products
Kajabi's homepage in October 2026.

What Kajabi is built to sell

Kajabi is a course, community, website, funnel and email platform for knowledge products. A mental health coach with a large audience, for example someone with a popular podcast selling a self-paced anxiety-management course to thousands of buyers, will find the marketing side mature. In Kajabi, coaching is organized as products and communities rather than per-client plans, so you do not get a private record of each client's mood check-ins or habit streaks.

On the app side, Kajabi's help center (checked today) walks coaches through creating a Google Developer account, completing iOS and Android app transfers, entering trader status in App Store Connect and editing store listings for a Branded App. That is a genuine own-listing app, and also a real project: you manage developer accounts and app-store review. We could not verify the Branded App's price on the pricing page, so ask Kajabi before you budget for it.

Plan limits that bite early

As listed in October 2026, Basic is $179/mo ($143/mo annually) with 5 products, 2,500 contacts, 1 community and 0 AI credits. Growth is $249/mo ($199/mo annually) with 50 products and 25,000 contacts. Payment processing through Kajabi Payments in the US runs 2.9% + $0.30 on Basic; using another provider (excluding PayPal) adds a Kajabi fee of 2% on Basic, 1% on Growth or 0.5% on Pro. The standard trial is 14 days. Kajabi holds a Trustpilot rating of 3.4 from 2,347 reviews (seen October 2026).

Pick it over Coachful if you sell content to a large audience, need your own App Store listing and have the time to manage it, and your 1:1 coaching is a small part of the business.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

4. Practice Better: the practitioner's portal, with strings attached?

Practice Better is practice-management software for wellness and nutrition practitioners, with scheduling, telehealth, charting, billing, programs and a client portal. Its client experience is solid for appointments and forms, but several features a coach would want in the client view (evergreen programs, portal branding, a custom URL and SMS) start on its Plus plan.

Practice Better homepage introducing its practice management software for practitioners
Practice Better's homepage in October 2026.

Who gets the most from it

Practice Better is the closest substitute to Coachful in this list. It fits a practitioner who also does clinical-adjacent work and wants charting alongside coaching. If you hold a counselling or therapy license and need compliance features, check Practice Better's own compliance documentation directly rather than relying on a roundup. We cover the client side in our Practice Better app guide.

What it does not include, per our older profile: a website builder or funnel pages. So the marketing side (site, lead magnet, email sequences) lives elsewhere, and your clients meet you in one place before they become clients and another place after.

Pricing tiers, client by client

As listed in October 2026: Sprout is free for 3 clients and 100 MB; Starter is $35/mo ($25/mo annually) for 10 clients; Professional is $69/mo ($59/mo annually) for 300 clients; Plus is $99/mo ($89/mo annually) for unlimited clients and 3 admins; Team starts at $155/mo ($145/mo annually) for 2 practitioners. Accounts below Team have one practitioner. The trial is 30 days on Team and 14 days on other paid plans, with no contracts. Practice Better Payments runs on Stripe; rates are not listed. Trustpilot shows 3.8 from 87 reviews (seen October 2026).

The catch for a mental health coach who cares about the client view: if you want branded portal, custom URL, SMS and evergreen programs, you are on Plus at $99/mo regardless of how many clients you have.

Pick it over Coachful if you need charting and telehealth in one practitioner tool, you work alongside clinical services, and you do not need a website, funnels or a community in the same place.

5. Circle: a polished community, but where are the check-ins?

Circle gives members a clean community app with courses, events, live streams and paid memberships. It ranks fifth here because it has no 1:1 scheduling or client management, and no per-client habits, check-ins or coaching plans, which is most of what a mental health coach needs between sessions.

Circle homepage introducing its community platform with courses and events
Circle's homepage in October 2026.

The member experience

Circle's strength is a well-organized community: spaces, discussions, events and courses that members can browse on their phone. For a coach running a wellbeing membership with monthly workshops and a busy discussion space, it is pleasant to use. Branded mobile apps under your own name are only on the custom-priced Circle Plus plan; on other plans, members use Circle's own app.

Fees and plan sizes

As listed in October 2026, Professional is $89/mo billed annually with 3 admins, 10 moderators and 2,500 AI credits a month; Business is $199/mo billed annually; Scale is $419/mo billed annually. Monthly-billing prices were not in our October data. Circle takes a fee on payments of 2% on Professional, 1% on Business and Scale, and 0.5% on Circle Plus, plus Stripe processing. There is a 14-day free trial with no credit card. Trustpilot shows 4.1 from 129 reviews (seen October 2026).

For a mental health coach, the missing private layer means Circle usually becomes one tool among several: a booking tool, a payments and contracts tool, and a check-in tool alongside it.

Pick it over Coachful if you already run a large paid membership, the community is the product, and you have no plans for private 1:1 programs with daily check-ins.

How do the five client apps compare feature by feature?

Coachful is the only one of the five that covers daily check-ins, habits, private programs, messaging, community and booking in the client's single app. The matrix shows what each vendor documents in October 2026.

What does a week in Coachful's app look like for one client?

Here is an illustrative example, not a real client: Maya, a project manager working with a coach on stress and work boundaries in a 12-week program.

A laptop and phone on a window seat showing a client community feed and an enrolled group program
Coachful's client community feed and an enrolled group program view on a window seat in the evening.

Monday, 7:10 a.m. A notification brings Maya into the app. The morning check-in asks three questions her coach wrote: hours of sleep, stress from 1 to 10, and one boundary she will hold today. She answers in under a minute. Her home screen shows week 4 of the program, "Protecting your evenings", with today's task: read a short lesson and pick a shutdown time.

Monday, 12:30 p.m. She opens the lesson, a five-minute read with a worksheet. Completion is tracked, so her coach sees it is done without asking.

A demo goal in Coachful: linked tasks and habits under Daily momentum, with daily and weekly reflection tabs below.

Tuesday and Wednesday. Two habits sit on her goal, "Leave work at work": a phone-free hour after 8 p.m. and a two-minute breathing practice before her first meeting. Her streak for the breathing practice is at 9 days. On Wednesday she misses the phone-free hour, logs it honestly and adds a note in her evening check-in.

Thursday. She messages her coach: a deadline moved, and she is worried about the weekend. Her coach replies the same afternoon with one question to think about before Friday's session. In the community, her cohort group (created when she enrolled) has a thread on weekend boundaries; she reads it and adds a comment.

Friday, 10:00 a.m. Her session reminder arrived by email the day before and by WhatsApp an hour before. She joins the video call through the link in her session details. Before the call, her coach read Michelle's briefing: check-in scores trending up, one missed habit midweek, the Thursday message. The session starts where Maya actually is, not with "so, how was your week?"

Weekend. The app is quiet except for the evening check-in. Week 5 unlocks on Monday.

Coachful client Programs view showing an enrolled group program with its current week and members
The client's Programs view in Coachful: an enrolled group program, its current week and its members (demo data).

Everything Maya touched lived in one app with one login, and everything her coach needed landed on one client record. That is the whole case for a single client app in mental health coaching.

What does each app cost at 5, 15 and 40 clients?

At small sizes the gap is modest; by 40 clients, platform fees and the extra tools around community apps add up. The table shows the plan that covers each size, as listed in October 2026.

App5 clients15 clients40 clientsWhat else you would need
CoachfulLite: $29/month for up to 5 clientsSolo: $49/month for up to 20 clientsPro: $99/month with unlimited clientsNothing for booking, payments, contracts, programs, community, website or email; Stripe or Razorpay processing only

Circle$89/mo billed annually + 2% of payments$89/mo billed annually + 2% of payments$89/mo billed annually + 2% of paymentsBooking, contracts, invoicing, private check-ins

To make this concrete with an illustrative example: if you sell $4,000 a month through Mighty Networks Launch or Circle Professional, the 2% platform fee is $80 a month on top of the plan, before Stripe processing and before the booking and contracts tools you add next to it. Run the same sum with your own numbers. Our coaching apps with payments comparison covers the payments side in more detail.

What red flags and switching costs should you watch for?

The biggest risks are a client experience split across several apps, pricing that jumps as you grow, and data you cannot take with you. Check each before you commit.

  • Clients juggling three logins. A booking link here, a course app there, a messaging app somewhere else. Every extra login is a reason for a stressed client to stop showing up between sessions.
  • Branding locked behind a top tier. In this list, branded portals or own-name apps sit on Practice Better Plus, Mighty Pro, Circle Plus and Kajabi's Branded App. Price the tier you will actually use, not the entry plan.
  • Percentage fees that grow with you. A 2% platform fee looks small at launch and is your largest software cost at scale.
  • No export of the client's history. Ask what leaves with you: notes, check-ins, goals, habits, session history. Coachful exports a full ZIP of the roster, notes, check-ins, goals, habits, sessions and form responses.
  • Clinical data in a coaching tool. If you hold a license and keep clinical notes, they belong in a system built for that. Coachful is not HIPAA-certified, and a coaching app should not hold diagnosis or treatment records.
  • An AI chat without guardrails. If you turn on any AI feature that talks to clients, decide in advance what happens when someone mentions self-harm, and say clearly that it is not a crisis service. The ICF Code of Ethics is a useful reference for setting those boundaries.

On switching: the hard part is rarely the data; it is asking clients to download a new app mid-program. Switch between cohorts or at a program boundary, send a short "here is our new home" message with a download link, and keep the old tool open for a month. With Coachful, clients, programs and content are imported for you during onboarding, which removes most of the rebuild work.

Which app should a mental health coach choose?

Choose Coachful if your clients need a daily touchpoint, private programs and a place to talk to you, all in one app on their phone. It is the only option here that puts check-ins, habits, goals, programs, messaging, community and booking in one client app, with your back office connected to it and no platform fee on sales.

Choose Mighty Networks or Circle if community is the product and 1:1 work is rare. Choose Kajabi if you sell courses to a large audience and want your own App Store listing badly enough to manage it. Choose Practice Better if you need charting and telehealth in a practitioner tool. For more context on the role itself, see how to become a mental health coach and our mental health coach certification guide.

Frequently asked questions

What is the best app for mental health coaches?

For most mental health coaches who run 1:1 and group programs, Coachful is the best fit because clients get check-ins, habits, programs, messaging and community in one app on iPhone or Android. Mighty Networks and Circle suit community-first coaches, Kajabi suits course sellers, and Practice Better suits practitioners who need charting.

Is Coachful's client app my own app in the App Store?

No. Clients download the Coachful app and see your branding, programs and content inside it. It is not published under your own App Store or Google Play account, which also means there are no developer accounts or app reviews for you to manage.

Can I use a coaching app for clients with a mental health diagnosis?

Coaching can sit alongside treatment, but the coaching app is not a clinical record. Coachful is not HIPAA-certified and is not for clinical record-keeping or insurance billing. Agree scope with the client in writing, coordinate with their clinician where appropriate, and refer when concerns are outside coaching.

What should I do if a client discloses risk in a check-in?

Follow your referral plan straight away and do not rely on the app to handle it. In the US, share the 988 Suicide and Crisis Lifeline; elsewhere, local emergency numbers. Our guide to mental-health warning signs in coaching covers recognition and referral.

What is Coachful's free white-glove service?

It is a done-for-you build included on every plan. You describe what you need, such as a website, funnel, program or check-in flow, attach references, and the Coachful team builds it inside your account, usually within about 24 hours. It does not include video recording, logo design or ad management.

Which apps have no native mobile app?

Among popular coaching tools, CoachAccountable, Paperbell and Satori have no native mobile app according to our older profiles; clients use them through a mobile browser. All five apps ranked here offer clients a phone experience.

Do community apps like Mighty Networks or Circle support daily check-ins?

Not per client. Both document community, courses and events, but neither includes per-client habits, check-ins or private coaching plans, so you would add a separate tool for that layer.

Does Coachful sync with Apple Health or wearables?

No. There is no Garmin, Fitbit, Whoop or Oura sync, and Apple Health sync is not publicly available. Clients log sleep, mood or energy through your check-in questions instead.

Can I try Coachful before paying?

Yes, there is a free trial. Monthly plans cancel in one click, and lower plans cap the number of clients while Pro is unlimited (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients).

How do I move clients to a new app without losing them?
