Top 12 Client Onboarding Software for Consultants: Ranked

The best client onboarding software for consultants gets a new client from "yes" to a productive kickoff without five separate emails: a signed engagement agreement, a completed intake questionnaire, a booked kickoff call, the first payment or retainer collected, and one place where the client finds every document afterwards. The deciding question is not which tool has the longest feature list. It is whether your onboarding and your delivery live in the same place, or whether the client signs in one tool and then gets sent somewhere else for the actual work.
Our pick is Coachful, because it covers all five onboarding steps and then keeps the client in the same branded home for the engagement itself: the program, the check-ins between sessions, the course or cohort, and the invoices. We make Coachful, so weigh that, and read the "Pick it over Coachful if..." line at the end of every other entry. Some consultants are better served by HoneyBook, Dubsado or Bonsai, especially if itemized proposals or billable hours run their business.
This list ranks 12 tools on what independent consultants and small consulting practices actually sell: fixed-scope packages, monthly retainers, workshops and cohorts for client teams, courses, and advisory memberships. Each section says what the tool documents for that workflow, its price as listed, its limits and who should choose it instead.
What do consultants need from client onboarding software?
Consultants need software that turns a verbal agreement into a defined engagement before the first working session: scope in writing, the client's context gathered, the kickoff on the calendar and money collected. Everything after that depends on how you deliver.
Consulting onboarding differs from a coach booking a single session in a few specific ways:
- The agreement carries the scope. A consulting engagement usually rests on a statement of work: deliverables, timeline, what is out of scope and how changes are handled. The statement of work is the document you point to when a client asks for "one more thing", so it has to be signed and easy to find later, not buried in an inbox.
- The intake is about the organization, not just the person. A good consulting intake asks who the stakeholders are, what has been tried, what data or systems you will need access to, what success looks like in 90 days and who signs off. That is a longer questionnaire than a coaching intake, and you want answers stored on the client record.
- Payment comes in different shapes. A diagnostic might be one payment. An implementation project might be a deposit plus a payment plan. An advisory retainer is a monthly subscription. A workshop for a client team is a single invoice to a company. Your software has to handle all of these without a separate billing tool.
- Kickoff involves more than one calendar. The kickoff call often includes a sponsor and a project lead. You need booking with time-zone detection, buffers and a video link that is created automatically.
- Delivery happens between meetings. Most consulting value is created between calls: the client team runs the new process, fills in a worksheet, tracks a weekly metric. If your onboarding tool stops at the signature, you will bolt on a project tool, a course platform and a chat app.
- Scope creep starts in onboarding. Scope creep rarely starts in month three. It starts when the kickoff call ends with vague next steps. Onboarding software that writes the plan down in a place the client sees protects the margin on a fixed-fee package.
If you are still weighing whether clients need a login at all, our guide to client portal versus email onboarding covers which tasks belong behind a login. For the portal side specifically, see our white-label client portal guide for consultants.
Which client onboarding tools for consultants made the list?
All 12 tools handle at least part of a consultant's onboarding; they differ in whether they also deliver the engagement. Prices are monthly as listed by each vendor (October 2026 for vendors in our dataset, November 2026 for pricing pages we checked directly).
Ranking criteria: one login for the whole client journey, delivery between sessions, total stack cost, and setup effort (including whether someone will build it for you).
| Tool | Rank | Best for | Starting price as listed | Biggest gap for consultants |

| Dubsado | 3 | Consultants who want deep, branching onboarding workflows | $35/mo (Starter) | No website, email marketing or delivery tools |
| Bonsai | 4 | Hourly or milestone billing with time tracking | $15/user/mo (Basic); onboarding tools from $25 | Per-user pricing; no courses or community |

| Quenza | 11 | Worksheet-heavy engagements | $25/mo (10 clients) | No client payments yet |
| 17hats | 12 | Budget all-in-one admin for a solo practice | $60/mo | Scheduling is a paid add-on |
How did we choose and rank these tools?
We started from the five onboarding jobs above and kept only tools that document at least two of them: agreements, intake questionnaires, kickoff scheduling, payments and a client portal. Then we ranked on the four criteria in the line above the table.
We did not run hands-on tests of every product. Facts come from each vendor's own pricing and feature pages, either from our October 2026 dataset or from pricing pages we checked in November 2026, and from public review counts where we cite them. Where a vendor does not list a figure, we say so instead of estimating.
Two judgment calls shape the order. First, tools that stop at the signature rank below tools that also carry delivery, because a consultant using a pure admin tool still pays for a course platform, a community app and an email tool. Second, tools built for clinical practice or worksheet delivery rank lower for consultants even when they are excellent at their own job. If you want the wider picture beyond onboarding, our roundup of the best software for independent consultants ranks full stacks.
1. Coachful: onboarding and delivery under one login

Coachful is the strongest fit when your onboarding hands straight into delivery. A prospect books a discovery call, answers intake questions, buys the package or retainer, signs the agreement and lands in a branded client home where the engagement plays out, without a second tool.
How onboarding runs for a consulting engagement
The sequence a consultant would build looks like this. A booking page or an application funnel captures the lead, with intake questions attached to the booking. The Intakes page tracks those calls: total intakes, upcoming calls, converted prospects and the conversion rate. Booking pages support availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync and Zoom, Meet or Teams links created automatically.

After the call, the client buys through a checkout that runs on your own Stripe Connect or Razorpay account. That checkout handles the shapes consultants sell: a one-time diagnostic, a payment plan for an implementation project, a monthly subscription for an advisory retainer, coupons, order bumps and refunds, with Apple Pay, Google Pay and Stripe Tax. Each transaction produces an invoice, and you can send manual invoices for a workshop billed to a company. Coachful charges a 0% platform fee on those payments since August 2026; only Stripe or Razorpay processing applies.

The engagement agreement goes out for e-signature before the first call and is stored on the client record, alongside intake answers, goals, notes, tags, sessions and payments. Our page on coaching contracts shows how that works.

What the client sees after signing
Once onboarded, the client opens their coaching hub: the next session, tabs for programs, sessions, progress and documents, and any pre-session work you have assigned. For a consultant, that pre-session work is where the kickoff homework goes: the stakeholder map, the current-state worksheet, the data request. The client app carries your branding inside the Coachful app.

Delivery is where Coachful separates from the admin tools below it. A 12-week engagement becomes a multi-week program with weekly goals, daily tasks, habits, morning and evening check-ins and goals with progress bars. A cohort for a client's managers gets its own group automatically when people enroll, with group calls and a community feed. A self-paced module on your method becomes a course with drip and completion tracking. Michelle, the built-in AI assistant, briefs you before each session from the client's live data and can summarize recorded sessions; questions are included in the membership, while confirmed builds use AI credits. The client record shows each client as thriving, active, quiet or at risk, which is the early warning a retainer consultant needs before a renewal conversation.
Here is the onboarding walkthrough:
Why Coachful stands out: a free white-glove service. From Create, the "We'll build it for you" card lets you describe what you want built, such as your website, an application funnel for discovery calls, a sales page for a retainer, a multi-week program, an intake form or an onboarding email sequence. You can attach up to 8 reference links and up to 10 files (logo, brand guide, an existing SOW, your current intake questions). The Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices; gaps are left for you to fill. One recent build: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Recording videos, logo design, ad management and ongoing marketing are not included. More in our white-glove service overview.

Where it falls short for consultants
Coachful does not list an itemized proposal builder with line-item quotes, and it does not do time tracking against an hourly rate. There is no multi-stage deal board for large sales teams and no Salesforce or HubSpot integration. It is not HIPAA-certified, has no PayPal and no permanent free plan. If your engagements are priced by the hour or sold through formal multi-option proposals, a tool lower on this list may do that part better.
Price: flat monthly plans; lower plans cap the number of clients, Pro is unlimited, and team plans add coach seats for associates (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). There is a free trial, and monthly plans cancel in one click.
In short: Coachful is a coaching platform with booking, payments, contracts, programs, courses, community, a website with funnels and email, and an AI assistant under one subscription. It suits consultants who deliver structured engagements, not just meetings, and who want to replace four to six tools. It does not do proposals with line items, time tracking or clinical records. To start, open a free trial and request the free white-glove build.
2. HoneyBook: proposals and contracts for consultants who bill companies

HoneyBook is a client-management CRM for service businesses, and its strength for consultants is the proposal: a branded document that combines scope, contract and invoice so the client reviews, signs and pays in one flow. For a consultant selling a defined project to a company, that single step is a clean start to onboarding.
Around the proposal, HoneyBook offers lead forms, a scheduler, invoices, automations and a client portal where the client sees their files and payments. Lead forms are capped by plan: two live forms on Starter, ten on Essentials and unlimited on Premium.
Pricing as listed in October 2026: Starter $29/month billed annually (the monthly figure was not shown; an older profile lists $36). Essentials $59/month or $49 billed annually, with up to two team members. Premium $129/month or $109 billed annually, with unlimited team members and multiple companies. A 30-day free trial without a card is listed. HoneyBook is the payment processor, and its own page conflicts on card rates: the FAQ says 2.7% + 10¢ while the plan comparison shows 2.9% + 25¢; ACH is 1.5%. Prices rose in February 2025, according to an older profile.
Limits for consultants: the scheduler and automations are not on Starter, so a realistic onboarding setup starts at Essentials. There is no coaching or engagement delivery: no programs, courses, habits, check-ins or community. Payments must run through HoneyBook's own processing. Trustpilot shows 4.1 from 748 reviews (October 2026).
Pick it over Coachful if your engagements are sold through formal proposals with line items and options, you invoice companies more than individuals, and delivery happens in meetings and shared documents rather than a program the client works through.
3. Dubsado: branching onboarding workflows

Dubsado's draw is its workflow engine. You can chain a questionnaire, a proposal, a contract, an invoice and reminders so that each step triggers the next, with delays and conditions in between. Consultants who run the same onboarding sequence for every new engagement value that control.
The building blocks are forms (lead capture, questionnaires, proposals), contracts, invoices, a scheduler and automated workflows. An optional surcharging setting can pass card costs to the client, which matters if you invoice large fixed fees.
Pricing as listed in October 2026: Starter $35/month or $27.92 billed annually, with unlimited clients and projects but one active lead-capture form. Premier $55/month or $43.75 billed annually, with unlimited lead forms. A 21-day trial with full Premier access and no card is listed. Dubsado does not state a platform fee on payments; processor rates apply.
Limits for consultants: the scheduler and automations are not on Starter, so the workflow engine you would buy it for needs Premier. Dubsado says itself that it does not include website building and is not an email marketing platform. The mobile app is a companion; full functionality is on the desktop web app. There are no courses, client community, habits or check-ins, so delivery of a cohort or a program happens somewhere else.
Pick it over Coachful if what you need most is a highly customized onboarding sequence with many conditional steps, you already have a website and email tool you like, and your delivery is meetings plus documents.
4. Bonsai: for consultants who bill by the hour
Bonsai combines client management, proposals, contracts and invoicing with project management and time tracking. For a consultant on hourly or milestone billing, that last part is the reason to look: time logged against a project turns into an invoice without a separate timesheet tool.
On its November 2026 pricing page, Bonsai lists four per-user plans. Basic is $15/user/month ($9 billed annually) with time tracking, tasks, unlimited projects and clients, CRM and mobile apps, but no invoicing or contracts. Essentials, $25/user/month ($19 billed annually), adds invoices and payments, proposals and contracts, forms and questionnaires, scheduling and a client portal, which is the first plan that covers onboarding. Premium, $39/user/month ($29 billed annually), adds a deals pipeline, client tasks and messaging, profit reports, integrations including QuickBooks, Xero, Zapier and Google, and removes Bonsai branding. Elite, $59/user/month ($49 billed annually), adds custom permissions and timesheet locking with a three-user minimum. The page describes a 7-day trial.
Limits for consultants: per-user pricing climbs as soon as you bring in associates. Bonsai branding stays on the client portal below Premium. There are no courses, cohorts, community or between-session check-ins, so the engagement itself runs outside Bonsai. The onboarding flow is strong on paperwork and weaker on the client experience after it.
Pick it over Coachful if you bill by the hour or by milestone, need timesheets and profitability reports per project, and your clients never need to log in to do work between meetings. For a comparison focused on billing alone, see our invoicing software guide for consultants.
5. SuiteDash: a white-labeled portal you configure yourself
What sets SuiteDash apart is breadth for a flat price that is not per user. Its pricing page, checked in November 2026, lists CRM, forms, proposals, contracts and e-signature, scheduling, invoicing and recurring billing, projects, file exchange, secure messaging, an LMS, a community and white labeling across the client portal.
The plans: Start at $19/month ($180/year) with unlimited CRM contacts, staff and portals, white labeling, an installable branded web app, email marketing and 100GB storage. Thrive at $49/month ($480/year) adds drip autoresponders, proposals, deal pipelines and client-side live chat. Pinnacle at $99/month ($960/year) adds the full automation toolkit, the onboarding toolkit, the LMS, support tickets and client journeys. A 14-day full-featured trial is listed.
Limits for consultants: the pieces that make SuiteDash an onboarding tool rather than a portal (the onboarding toolkit, automation flows and LMS) sit on Pinnacle, so the realistic price is $99/month. SuiteDash sells one-on-one onboarding and includes "wizarding" setup sessions on its higher plans, which signals that configuration takes real time. There are no structured habits, daily check-ins or AI session briefings.
Pick it over Coachful if you need full white labeling on your own domain for a small firm, want unlimited staff seats at a flat price, and have the time (or budget for a specialist) to configure it.
6. Paperbell: one price, simple packages

Paperbell is admin software for solo coaches and fits consultants who sell simple, repeatable packages: a strategy session, a three-month advisory package, a VIP day. Clients buy the package, sign the contract, book sessions and find files in a client portal, with a simple website included.
Pricing as listed in October 2026: a single plan at $97/month or $80.83 billed annually, with unlimited clients, sessions, files and packages. The trial length is not on the pricing page; Paperbell's help center (July 2026) describes a 7-day trial with the public site offline and client messages and SMS turned off. A 30-day money-back guarantee is listed, and Paperbell says it adds no transaction fees beyond Stripe or PayPal processing.
Limits for consultants: no courses, community, or goal and habit tracking, according to an older profile, so a cohort or a structured program for a client team needs another tool. There is no native mobile app; clients use a mobile browser. The price is per coach, so associates add cost.
Pick it over Coachful if you sell a handful of session-based packages, want the shortest possible setup, and will never run a cohort, course or between-session program. Trustpilot shows 3.5 from 14 reviews (October 2026).
7. Practice Better: a wellness practice tool consultants can borrow

Practice Better is practice management for wellness and nutrition practitioners: scheduling, telehealth, charting, billing, programs and a client portal. It belongs on this list for wellness consultants, such as those who advise clinics or corporate wellness teams, who want intake forms and charting in one place.
Pricing as listed in October 2026: Sprout is $0 for 3 clients and one practitioner. Starter is $35/month ($25 billed annually) for 10 clients. Professional is $69/month ($59 billed annually) for 300 clients. Plus is $99/month ($89 billed annually) with unlimited clients and three admins. Team is $155/month ($145 billed annually) for two practitioners, with more at $50 each. Trials are 30 days on Team and 14 days on other paid plans. Payments run through Practice Better Payments, powered by Stripe; rates are not listed.
Limits for consultants: evergreen programs, portal branding, a custom URL and SMS start on Plus, which is where a consultant wanting a branded onboarding experience would land. There is no website builder or funnel pages (older profile), and only one practitioner per account below Team. The vocabulary is clinical, which reads oddly to a business client.
Pick it over Coachful if your consulting sits close to clinical work and you need charting and telehealth notes. Trustpilot shows 3.8 from 87 reviews (October 2026).
8. Satori: for a small active roster

Satori is a coaching practice tool covering scheduling, a client portal, packages and programs, invoices and contracts. Its billing model counts only active clients, which suits consultants whose roster swings between busy and quiet quarters.
Pricing as listed in October 2026: Scholar is $0 for people studying for a coaching certification, with unlimited pro-bono clients. Essentials is $33/month ($27.50 billed annually) for up to 10 active paying clients. Pro is $49/month ($40.83 billed annually); an older profile lists 50 active clients and 10 programs. Leader is $124/month ($103.33 billed annually); the older profile lists 150 active clients. A 15-day unrestricted trial without a card is listed, with a refund on request within 30 days. Satori adds no charge on client payments; PayPal and Stripe fees apply.
Limits for consultants: no landing pages, courses or community (older profile), no native mobile app and no native Zoom integration. Program and booking counts are capped on lower tiers in the older profile, so check them before you plan a cohort.
Pick it over Coachful if you run a small number of one-to-one engagements at a time, want to pay only for active clients, and do not need a website or group delivery.
9. Plutio: projects, tasks and a client portal for freelancers
Plutio comes from the freelancer side: projects, tasks, time tracking, proposals, contracts, invoices, forms, scheduling and a client portal in one workspace. A consultant who manages engagements as projects with task lists will find it familiar.
Its pricing page, checked in November 2026, lists Core at $19/month for up to 9 active clients, Pro at $49/month with unlimited clients and up to 30 contributors, and Max at $199/month with unlimited contributors, white labeling and single sign-on included. White labeling is a $9/month add-on on Core and Pro, and single sign-on is a $5/month add-on on Pro. Every plan starts with a 7-day free trial without a card.
Limits for consultants: the 9-client cap on Core is low for a practice running small retainers. A branded portal costs extra below Max. Plutio is built around projects and tasks, not client progress, so there are no habits, daily check-ins, cohort groups or AI session briefs.
Pick it over Coachful if your engagements are deliverable-driven projects with task lists and subcontractors, and the client mainly needs to review files and approve work.
10. Content Snare: collecting documents and answers from clients
Content Snare does one onboarding job very well: getting information out of clients. You build a request with questions and upload areas, send it, and the tool chases the client with automated reminders until it is complete, with an approval system for answers that need rework.
For consultants, that solves the slowest part of many kickoffs: waiting for org charts, financials, process documents and access credentials. Its feature list also includes a simple client portal, document signing, an AI questionnaire builder and KYC and AML screening.
Pricing checked in November 2026: Basic is $42/month ($35 billed annually) with 20 active requests, 2 users and 40 SMS a month. Plus is $85/month ($71 billed annually) with 50 active requests, 5 users and custom branding. Pro is $143/month ($119 billed annually) with 100 active requests and 10 users. Custom plans start at $258/month ($215 billed annually). All plans list unlimited clients and recipients. A 14-day free trial without a card is listed.
Limits for consultants: Content Snare does not book calls, take payments or deliver the engagement. Pricing scales by active requests, so a practice onboarding many clients at once moves up tiers quickly.
Pick it over Coachful if document collection is the bottleneck in your onboarding (due diligence, audits, data-heavy diagnostics) and you already have booking and billing elsewhere. Many consultants pair it with another tool on this list. Our guide on automating onboarding forms shows the simpler path when your forms are short.
11. Quenza: worksheets and activities between sessions

Quenza is a client-engagement tool for coaches and therapists: activities, worksheets, programs, chat and a client app. It fits consultants whose method relies on exercises the client completes between meetings, such as values work for a leadership team or a structured reflection after each workshop.
Pricing as listed in October 2026: Spark $25/month ($20 billed annually) for one professional and 10 clients. Growth $50/month ($40 billed annually) for 250 clients. Impact $125/month ($100 billed annually) for 400 clients. Collective $160/month ($128 billed annually) for up to three professionals and 500 clients. Beyond is custom. A 30-day trial without a card is listed.
Limits for consultants: Quenza does not process client payments today; invoicing and digital products are marked as planned. An older profile notes no scheduling or video calls. That leaves three of the five onboarding jobs (payment, kickoff booking, and in practice the agreement) to other tools.
Pick it over Coachful if you only need a library of interactive worksheets for clients and already handle booking, contracts and billing elsewhere. Trustpilot shows 4.3 from 8 reviews (October 2026).
12. 17hats: budget admin with add-ons
17hats bundles quotes, contracts, invoices and questionnaires (it calls them "documents"), lead capture, workflows and bookkeeping for small service businesses. A solo consultant on a tight budget gets the paperwork side of onboarding in one place.
The pricing page we checked in November 2026 lists $60/month, $600/year or $800 for two years, with a 7-day free trial and a 30-day money-back guarantee. It also advertises a discount for skipping the trial. Online scheduling is an add-on: $5/month for the basic version or $10/month for the advanced one with pay-on-booking and Zoom links. Recurring billing, time tracking, bank connection and QuickBooks integration also appear as paid add-ons on some columns of the comparison chart, and the chart shows monthly document allowances of 20, 35 or unlimited, so confirm which allowance the plan you buy includes.
Limits for consultants: add-ons push the real cost above the headline price once you need booking and retainers. There is no program delivery, course, community or client app for between-session work.
Pick it over Coachful if you want bookkeeping and onboarding paperwork together, sell one-off projects rather than ongoing programs, and do not need clients to log in for anything beyond signing and paying.
How do the features compare side by side?
Only Coachful covers all five onboarding jobs and the delivery that follows. HoneyBook, Dubsado, Bonsai and SuiteDash cover onboarding well; the rest cover parts of it.

| Coachful | Yes, before the first call | Yes, on booking and forms | Yes, with calendar sync and auto video links | Yes, one-time, plans and subscriptions via your Stripe or Razorpay | Yes, branded home and app | Yes, all three |

What does each tool cost at 5, 15 and 40 clients?
At 5 clients the cheapest tools win; at 40 clients the comparison flips toward tools that already include delivery, because the admin tools still need a course platform, a community and an email tool on top. The figures below are monthly list prices for one consultant on the plan that covers onboarding, before payment processing.
| Tool | 5 clients | 15 clients | 40 clients | Still needed for delivery |
|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Solo: $49/month for up to 20 clients | Pro: $99/month with unlimited clients | Nothing for programs, courses, community, website or email |
| HoneyBook (Essentials) | $59 | $59 | $59 | Course platform, community, email marketing, website |
| Dubsado (Premier) | $55 | $55 | $55 | Website, email marketing, delivery tools |
| Bonsai (Essentials) | $25 | $25 | $25 | Course platform, community, email, website |
| SuiteDash (Pinnacle) | $99 | $99 | $99 | Setup time or a configuration specialist |
| Paperbell | $97 | $97 | $97 | Course platform, community |
| Practice Better | $35 (Starter) | $69 (Professional) | $69 (Professional) | Website and funnels; Plus ($99) for branding |
| Satori | $33 (Essentials) | $49 (Pro) | $49 (Pro) | Website, courses, community |
| Plutio | $19 (Core) | $49 (Pro) | $49 (Pro) | Courses, community; white label +$9 |
| Content Snare (Basic) | $42 | $42 | $85 (Plus, by active requests) | Booking, payments, delivery |
| Quenza | $25 (Spark) | $50 (Growth) | $50 (Growth) | Booking, payments, contracts |
| 17hats | $60 + $10 scheduling | $60 + $10 scheduling | $60 + $10 scheduling | Delivery tools; other add-ons as needed |
Two notes on reading this. Content Snare prices by active requests, not clients, so the 40-client figure assumes most requests are open at the same time. And for the admin tools, the right-hand column is the real cost: if you run a cohort for a client team, you pay for that platform separately. Our guide to group coaching software covers what that second tool usually needs to do.
How does a consultant set up onboarding in Coachful, step by step?
A typical setup takes one working session if you build it yourself, or one build request if you hand it to the white-glove team. Here is the order we would follow for a consultant who sells a fixed-scope diagnostic and a monthly advisory retainer. The offer names and structure are an example.

- Create the two offers. A one-time "Operations Diagnostic" and a monthly-subscription "Advisory Retainer". If the diagnostic is large, add a payment plan instead of a single charge. Connect your own Stripe account first so checkout works. Set the price from your own numbers: target monthly income divided by the number of engagements you can deliver well, then checked against what your past clients have paid.
- Write the agreement. Put the statement of work into your coaching agreement: deliverables, timeline, what is out of scope, how change requests are priced, and the cancellation terms. Have a lawyer review the template once; it then goes out for e-signature before the first call on every engagement.
- Build the intake questions. Attach them to the discovery-call booking: company and role, who else is involved, what has been tried, the 90-day outcome, data and system access needed, and the decision-maker. Answers land on the client record.
- Set up the booking page for the kickoff. Add buffers and minimum notice so a kickoff never lands an hour after signing, connect your calendar, and pick Zoom, Meet or Teams so links are created automatically. Turn on email reminders, plus SMS and WhatsApp reminders once messaging is enabled.
- Add a Welcome flow. In coaching flows, use the Welcome template to send the client their first task: the pre-kickoff worksheet, a document request, and a short "what happens next" message.
- Turn the engagement into a program. Map the diagnostic as a four-week program with a weekly goal per phase (discovery, analysis, recommendations, handover) and a weekly check-in. For the retainer, add a monthly goal and an evening check-in on the metric you are moving.
- Put the reference material in documents or a course. Your method, templates and recorded explainers go in a short course or downloads so the client team can self-serve between calls.
- Connect the front door. Use an application funnel or booking funnel on your site so the whole path, from first visit to kickoff, runs through the same records. Our funnel software page shows the templates.
- Write the onboarding email sequence. A three-step sequence triggered on purchase: welcome and agreement reminder, kickoff prep, and a day-after-kickoff summary with next steps written down.
- Check the client's view. Open the client home as a test client and confirm the next session, the pre-session work and the documents tab show what you expect.
If you would rather not build any of this, request it from Create with your existing SOW, intake questions and offer details attached. The team builds it in your account and leaves blanks where facts are missing. Our client onboarding checklist is a useful companion for checking nothing is skipped.
What onboarding mistakes do consultants make with software?
The most expensive mistake is separating onboarding from delivery, so the client meets a polished signing flow and then a messy shared folder. The others are smaller but common.
- Starting work before the agreement is signed. Set the agreement to go out before the kickoff, and do not book working sessions until it is back. A signed scope is the only defense against scope creep that holds up.
- An intake that asks about the person but not the organization. Consulting engagements fail on missing stakeholders and missing data access. Ask about both before the kickoff, not during it.
- Taking a retainer as manual invoices. If the retainer is monthly, sell it as a subscription so renewals are not a monthly chase.
- Buying on the headline price. HoneyBook and Dubsado look cheap until you need the scheduler; SuiteDash looks cheap until you need the onboarding toolkit; 17hats looks complete until you add scheduling. Price the plan you will actually use plus the delivery tools you still need.
- Collecting client data you cannot protect. If you work with EU clients, the General Data Protection Regulation applies to what you collect at intake. Ask only for what the engagement needs, and check with an attorney on contract terms where your jurisdiction differs.
- A kickoff with no written next steps. End every kickoff by putting the first two weeks of tasks into the client's portal, where they can see them.
- Too many logins for the client. One tool for signing, another for files, a third for a course and a chat app on top means clients stop checking. Our client portal onboarding checklist covers how to introduce a single login well.
Which client onboarding software should a consultant pick?
Pick Coachful if you sell packages, retainers, cohorts or courses and want the agreement, intake, kickoff, payment and the engagement itself in one branded place, built for you if you ask. It is the only tool here that removes the need for a separate course platform, community, website and email tool, and the white-glove build removes most of the setup effort.
Choose HoneyBook if formal proposals to companies are central to how you sell, Dubsado if you want the most detailed onboarding workflows, and Bonsai if you bill by the hour. SuiteDash suits a small firm that wants full white labeling and has time to configure it. Paperbell, Practice Better and Satori fit narrower practices; Plutio, Content Snare, Quenza and 17hats solve one part of onboarding well and work best alongside another tool.

Frequently asked questions
What is client onboarding software for consultants?
It is software that handles the steps between a client agreeing to work with you and the first productive session: the signed agreement, intake questionnaire, kickoff booking, first payment and a place to share documents. Some tools stop there; others, like Coachful, also deliver the engagement afterwards.
Do consultants need a client portal, or is email enough?
Email works for one or two clients on short projects. Once you run several engagements or a cohort, a portal keeps the agreement, documents, tasks and session history in one place the client can find. The deciding factor is whether the client has work to do between meetings.
Can I handle monthly retainers in Coachful?
Yes. You can sell a retainer as a monthly subscription through your own Stripe Connect or Razorpay account, alongside one-time payments and payment plans for fixed-scope work. Each transaction produces an invoice, and you can also send manual invoices.
Does Coachful create proposals with line items?
Coachful does not list an itemized proposal builder. Consultants usually present scope in the coaching agreement and a sales page or offer, then collect payment at checkout. If multi-option proposals are central to how you sell, HoneyBook, Dubsado or Bonsai handle that step better.
What is Coachful's free white-glove service?
It is a build service included on every plan. You describe what you need from the Create page, such as a website, an onboarding funnel, a program, an intake form or an email sequence, attach references and files, and the Coachful team builds it in your account, usually within about 24 hours. It does not include video recording, logo design or ongoing marketing.
Can associates work with my clients in Coachful?
Yes, team plans add coach seats with per-coach availability and staff permissions, and multi-coach session types can assign bookings by round-robin or to the least-busy coach. Coachful does not have a multi-stage deal board for large sales teams.
Which tool is best if I bill consulting work by the hour?
Bonsai, because time tracking feeds directly into invoices and it reports profitability per project. Plutio also offers time tracking. Coachful does not track billable hours.
Is any of this software suitable for clinical or health data?
Coachful is not HIPAA-certified and does not sign a BAA, so clinical records belong in a clinical system. Practice Better is built for wellness practitioners with charting, but check its compliance terms directly for your situation.
How much should I budget for onboarding software as a consultant?
Price the plan that includes scheduling and automations, not the entry plan, then add any course, community, email or website tool you still need. The cost table above shows list prices at 5, 15 and 40 clients for all 12 tools.
Can I move my existing clients into Coachful?
Yes. Clients, programs and content are imported for you during onboarding, and you can export full client data as a ZIP later, including notes, check-ins, goals, sessions and form responses.
