Best Client Portal for Relationship Coaches: 12 Picks

Best Client Portal for Relationship Coaches: 12 Picks

The best client portal for relationship coaches is one where both partners can sign an agreement, book a joint or solo session, do their exercises between calls and see their progress, while you keep each partner's private notes separate and pay for one tool instead of five. Most portals handle one or two of those jobs. Very few cover the whole couples journey from first enquiry to the check-in three months after the program ends.

Our pick is Coachful, because it puts booking, agreements, payments, multi-week programs with habits and check-ins, courses, a community and your website behind one login for you and one branded app for each client. We make Coachful, so weigh that, and the ranking criteria are stated openly below. The other eleven tools each win in a specific situation, and every entry ends with when you should pick it instead.

This guide is written for coaches who work with couples, singles who want a healthier next relationship, people navigating separation, and dating coaches. If you want the general category overview first, read our guide to client portal software; this article stays on what relationship work needs.

What does a relationship coach actually need from a client portal?

A relationship coach needs a portal that handles two people in one engagement, carries structured homework between sessions, and keeps sensitive notes private. That is different from a business or fitness coach, where one client equals one login and the work is mostly measurable output.

Three things make this niche unusual:

  • Two clients, one engagement. A couples package usually has one payer, two participants and a mix of joint and individual sessions. Each partner needs their own login, their own reflections and sometimes their own private session, while the program and goals are shared.
  • Most of the change happens between calls. Appreciation practices, weekly "state of us" conversations, conflict repair scripts and date-night commitments only work if partners actually do them. The portal has to remind, collect and show you what happened.
  • Scope matters more than in most niches. Relationship coaching is not couples therapy. Your intake and agreement should make that clear, and you need a plan for when a client discloses abuse, coercion or a mental health crisis. The ICF Code of Ethics asks coaches to be clear about the nature and limits of coaching and to refer when another professional is better placed. If someone discloses violence, the National Domestic Violence Hotline is a resource to share in the US; know the equivalent where you work.

For background on how coaching differs from therapy-based couples work, the overview of relationship counseling on Wikipedia is a useful neutral starting point. Your portal does not make that distinction for you, but a good one makes it easy to put the scope statement in front of both partners before the first call.

How does the relationship coaching client journey break into stages?

The journey runs through four stages: attract, enroll, deliver and retain. Each stage has a job a portal can either do for you or push into a separate tool.

Attract: earning trust before the first call

People rarely buy relationship coaching from a cold ad. They read your articles, download a conflict-repair guide, join a free workshop on communication, and book a discovery call when something cracks. You need a website, a lead magnet funnel, an email sequence and a booking page that all feed the same contact list.

Enroll: intake, agreement and payment for two

Enrollment is where couples work gets fiddly. You want intake questions on the booking form (how long together, what brings them now, whether both partners agree to coaching), a coaching agreement that both sign before the first session, and a payment option that suits a package: one-time, a payment plan or a monthly subscription. Our page on coaching contracts covers what to put in the agreement.

Deliver: sessions plus the work in between

Delivery mixes joint calls, individual calls and structured practice. A typical eight-week couples program might pair a weekly joint session with daily appreciation habits, an evening check-in about connection and a weekly reflection each partner completes separately. Video calls should be easy to join from the same place the homework lives. If you are still choosing a call tool, see our roundup of video conferencing tools for relationship coaches.

Retain: alumni, maintenance and referrals

Couples who finish a program often want a lighter maintenance rhythm: a monthly tune-up call, an alumni community or a short course on a specific topic like blended families. Singles from a dating program may come back when they are in a relationship. A portal that holds courses and a community lets you keep that relationship without a second login. Our article on community platforms for relationship coaches goes deeper on that stage.

How did we choose and rank these 12 tools?

We started from tools coaches actually shortlist for client portals, then kept only those that do at least one stage of the relationship coaching journey well. Prices come from each vendor's pricing page as listed in October 2026; where a detail came from an older vendor profile, we say so. We did not run hands-on tests for this article: we describe what vendors document and what public reviewers report.

Ranking favours breadth across the four stages and lower total cost of the full stack, because most relationship coaches run solo and cannot afford to stitch six tools together. A narrow tool can still be the right answer, and each section says when.

1. Coachful: the whole couples journey behind one login

A tablet with a habit tracker and a laptop with check-in flows on a sunny window seat
Coachful's habit tracker and coaching flows library on two screens beside paired notebooks and a candle.

Coachful is a coaching platform where one subscription covers booking, payments, coaching agreements, multi-week programs with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. You get one login; each client gets one app carrying your branding. For relationship coaches, the point is that the attract, enroll, deliver and retain stages all happen in the same place, so a partner who downloads your free guide on repair conversations becomes a contact, a booked call, a signed client and later an alumni member without being copied between tools. See how it fits this niche on our relationship coach page.

Enrolling a couple without the paperwork shuffle

Booking pages carry availability rules, buffers, minimum notice and time-zone detection, which matters when partners book a joint session from different calendars or after one has moved out. Two-way sync covers Google, Apple/iCloud and Outlook. You can add intake questions to the booking form, so you learn how long they have been together and what prompted the call before you meet. Calls can use built-in video or auto-created Zoom, Meet or Teams links. Reminders go by email, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled.

Coaching agreements with e-signature go out before the first call and are stored on the client record, which is the natural place to put your scope statement: that coaching is not therapy, what happens if a safety concern comes up, and how you handle information one partner shares privately. Payments run through your own Stripe Connect or Razorpay account, with one-time payments, subscriptions, payment plans, coupons, refunds, Apple Pay and Google Pay. Coachful takes a 0% platform fee (since August 2026); you pay only Stripe or Razorpay processing.

Between-session work that both partners can see

This is where Coachful stands apart from booking-first tools. You build a multi-week program with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. In practice, that might be a daily "one specific appreciation" habit, an evening check-in asking each partner to rate connection that day, and a weekly goal of one uninterrupted 20-minute conversation. Enroll both partners in the same program and each sees their own tasks and streaks in their own app, while a cohort group is created automatically for group programs.

Coachful client goal page with daily momentum tasks and habits and reflection tabs
A demo goal in Coachful: linked tasks and habits under Daily momentum, with daily and weekly reflection tabs below.

Each partner has their own client record with goals, check-ins, habits, notes, intake answers, tags, payments and sessions, plus a status of thriving, active, quiet or at risk. Tag both partners with a shared couple tag and you can filter them together while keeping each person's notes on their own record. When one partner goes quiet mid-program, the status shows it before the next joint session, which is often the first sign of a stuck point you will want to raise gently.

Here is a short walkthrough of how a client journey is set up:

Michelle, the built-in AI assistant, works from your live practice data: she can draft a program outline, write emails, summarize recorded sessions and brief you before a call. If you record couples sessions, get both partners' consent in your agreement first. Michelle can also give you optional private feedback on your own coaching against ICF Core Competencies 3 to 8, and ICF credential tracking counts your hours and distinct clients toward ACC, PCC and MCC. Separately, the AI Coach is an AI version of you that selected clients can chat with between sessions, configured by you, useful for practising a script before a hard conversation.

Keeping alumni close after the program ends

Courses with modules, drip and completion tracking sit in the same client home, so a "first year of marriage" course or a co-parenting module can be sold or bundled with no second platform. The community feed, group chat, direct messages and video events give alumni couples somewhere to land. On the attract side, the section-based website builder includes 30 homepage templates, a blog and a custom domain, and funnels cover booking, applications, lead magnets and checkout, with email broadcasts and multi-step sequences.

Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you · FREE", describe what you want (a website, a lead magnet funnel for your communication guide, a couples program, an email sequence), attach up to 8 reference links and up to 10 files, and the Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. It does not cover recording videos, logo design, ad management or ongoing marketing. One recent build: a menopause and midlife health coach starting from nothing got a five-page site in sage and cream with every button leading to a free 20-minute consultation. Read more about the free white-glove service.

What it does not do. Coachful is not HIPAA-certified and offers no BAA, so it is not the place for clinical records or insurance billing; if you are also a licensed therapist, keep clinical notes in a clinical system. There is no PayPal and no permanent free plan. The client app ships under the Coachful listing with your branding, not under your own App Store account. There are no routing forms that pick a host from form answers.

Price. Plans are flat monthly, lower plans cap the number of clients, Pro is unlimited, team plans add coach seats, and monthly plans cancel in one click (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). There is a free trial, and during onboarding your clients, programs and content are imported for you.

Who it suits: relationship, dating and divorce coaches who deliver programs rather than only sessions, solo coaches growing into a small team, and anyone replacing four to six tools. Dating coaches can also see our dating coach page, and separation specialists our divorce coach page.

2. Kajabi: for coaches whose business is mostly courses

Kajabi is a course and digital product platform with a website, email to contacts and a community, and it suits relationship coaches whose main product is a recorded program like "Rebuilding Trust in 8 Weeks" sold to many couples at once.

The pricing page lists Basic at $179 per month, or $143 per month billed annually, with 5 products, 2,500 contacts, 1 website, 1 community and 2 admin users. Growth is $249 per month ($199 annual) and Pro is $499 per month ($399 annual). Kajabi says it takes no revenue share; card processing through Kajabi Payments is listed at 2.9% + $0.30 on the entry tier for US entities. Its own FAQ says Pro is for anyone who wants their own app in the App Store.

For couples work, the strength is polished course delivery and a single checkout. The gap is the one-to-one side: the pricing page centres on products, contacts and community rather than on per-client programs with daily habits, joint check-ins, coaching agreements or a client record per partner. A coach running private couples packages would usually add a separate booking and agreement tool. At 5 products on Basic, a coach with several programs, a lead magnet course and alumni modules can hit the cap quickly.

Public reviewers often describe Kajabi as strong for marketing and course sales, and pricier than coaching-specific tools for a small practice. That fits what the price list shows: the entry tier alone costs more than many all-in-one coaching plans.

Pick it over Coachful if your revenue comes mostly from self-paced relationship courses sold at volume, you want your own App Store app and you can budget for the Pro tier.

3. Mighty Networks: a home for couples cohorts and alumni

Mighty Networks is a community-first platform with courses, events and paid memberships, which suits relationship coaches who run cohort programs where couples learn from each other as much as from you.

Its pricing page lists the Launch plan at $79 per month (shown as $950 per year on annual billing), Scale at $179 per month and Growth at $354 per month, with a free trial on the Growth plan. Transaction fees are listed at 2% on Launch, falling on higher tiers. Branded apps are sold as a separate service.

For a "Stronger Together" cohort of eight couples, Mighty gives you discussion spaces, live events and a course in one network, and the AI Cohost helps with community setup. That retention stage is where it shines: alumni couples can stay in the network after the program.

What you give up is the private, per-couple layer. Mighty is built around members in a shared space, not around coaching agreements, intake per booking, one-to-one session scheduling or habit tracking per partner. Sensitive couples work rarely belongs in a group feed, so most coaches pair it with a booking and contracts tool, plus a payment fee on top of Stripe's.

Pick it over Coachful if your offer is mainly a large paid community or membership for couples, and one-to-one coaching is a small add-on you are happy to run elsewhere.

4. Quenza: exercises and worksheets without the admin

Quenza homepage as it appeared in October 2026, showing its main headline and sign-up button
Quenza's homepage in October 2026.

Quenza is a client-engagement tool for coaches and therapists built around activities, worksheets, programs, chat and a client app. For relationship coaches, its appeal is the exercise library approach: you can send a structured reflection on attachment patterns or a weekly relationship check-in form and collect each partner's answers.

As listed in October 2026, Spark is $25 per month ($20 annual) for 1 professional and 10 clients, Growth is $50 per month ($40 annual) for 250 clients, Impact is $125 per month ($100 annual) for 400 clients, and Collective is $160 per month ($128 annual) for up to 3 professionals and 500 clients. There is a 30-day free trial with no card.

The limits are significant for a paying practice. Quenza does not process client payments today; invoicing and digital products are marked as planned. An older profile notes no scheduling or video calls. So a relationship coach would still need a booking tool, a payment tool, an agreement tool and a website. Spark's 10-client cap also counts individuals, which means five couples fill it.

Where it fits is as a delivery layer for coaches who already have admin covered and want a deep library of interactive exercises.

Pick it over Coachful if you only need a worksheet and activity engine, your booking and billing already run elsewhere, and you want the cheapest way to send structured exercises.

5. Circle: community spaces with live sessions built in

Circle is a community platform with spaces, live events and paid access. Relationship coaches use it for group programs and memberships where discussion and live Q&A carry the value.

The pricing page lists Professional at $89 per month, Business at $199 and Scale at $419, all based on annual billing. A 14-day free trial needs no credit card. Transaction fees are 2% on Professional and 1% on Business and Scale, on top of standard Stripe processing. Live sessions on Professional are metered, with extra hours listed at $50 per month per 10 hours.

Circle's structure suits topic-based spaces: one for newly engaged couples, one for co-parenting, one for dating after divorce. That is a tidy way to run a retention community across several programs.

The constraint is the same as other community-first tools: no coaching agreements, intake per booking, individual session scheduling or per-partner habit tracking in its core offering. The metered live hours also add up if your group program meets weekly. Our community platforms guide compares Circle and Mighty in more depth for this niche.

Pick it over Coachful if you run a large community-led membership with many topic spaces, and private couples coaching is handled by another tool or not part of your offer.

6. Paperbell: one price for booking and packages

Paperbell homepage as it appeared in October 2026, showing its main headline and sign-up button
Paperbell's homepage in October 2026.

Paperbell is admin software for solo coaches that covers booking, packages, payments, contracts, a client portal and a simple website. It is the classic "sell a package of six couples sessions and get paid" tool.

There is one plan: $97 per month ($80.83 per month billed annually), with unlimited clients, sessions, files, packages and traffic, as listed in October 2026. Paperbell says there are no additional transaction fees; Stripe or PayPal processing applies. Its help center (July 2026) describes a 7-day trial with the public site offline and client messages and SMS off, and there is a 30-day money-back guarantee. Trustpilot shows 3.5 from 14 reviews.

For relationship work, the package-plus-contract flow is genuinely quick to set up, and PayPal support may matter to some clients. The gaps show in delivery: an older profile lists no courses, community, goal tracking or habit tracking, and no native mobile app. Between-session exercises would live in documents or another tool, and you would not see whether each partner did their homework before the call.

If you are weighing it, our list of Paperbell alternatives covers more options.

Pick it over Coachful if you only sell session packages, need PayPal, and do not plan to deliver structured programs, courses or a community.

7. CoachAccountable: action plans and metrics per partner

CoachAccountable homepage as it appeared in October 2026, showing its main headline and sign-up button
CoachAccountable's homepage in October 2026.

CoachAccountable is a coaching back office with sessions, action plans, metrics, worksheets, courses, invoicing and agreements. Relationship coaches like it for the accountability side: each partner can carry their own action plan and track a metric like "conversations without interruption" week by week.

It is priced per active client, as listed in October 2026: Starter $20 per month for 2 active clients, Level 1 $40 for 5, Level 2 $70 for 10, Level 3 $120 for 20, Level 4 $250 for 50 and Level 5 $400 for 100. There is a 30-day trial with no card and no limits. Trustpilot shows 4.8 from 47 reviews, among the strongest ratings in this list.

The pricing model is the catch for couples coaches. Each partner is an active client, so ten couples means 20 active clients and Level 3. An older profile notes no native mobile app and no landing pages, website or marketing automation, and CoachAccountable states it is not HIPAA compliant. You would still need a site, email marketing and probably a community elsewhere.

For more options in this lane, see our roundup of CoachAccountable alternatives.

Pick it over Coachful if you coach a small number of couples, value detailed per-person metrics above everything else and already have your website and marketing in place.

8. Satori: lightweight packages with a student tier

Satori homepage as it appeared in October 2026, showing its main headline and sign-up button
Satori's homepage in October 2026.

Satori is a coaching practice tool covering scheduling, a client portal, packages and programs, invoices and contracts. It counts only active clients toward billing, which helps a relationship coach whose couples come and go in waves.

Pricing as listed in October 2026: Scholar is free for people studying for a coaching certification (unlimited pro bono clients, by application); Essentials is $33 per month ($27.50 annual) for up to 10 active paying clients; Pro is $49 per month ($40.83 annual), with an older profile listing 50 active clients; Leader is $124 per month ($103.33 annual), 150 active clients per an older profile. There is a 15-day trial with no card, and Satori takes no cut of client payments beyond PayPal or Stripe fees. Our data on Satori is partial, so confirm limits on its pricing page.

The Scholar tier is a real advantage for coaches still in training who want to log pro bono hours with practice couples. Beyond that, an older profile lists no native mobile app, no native Zoom integration, and no landing pages, courses or community, so retention and marketing sit elsewhere.

Pick it over Coachful if you are a coach in training doing pro bono couples work, or you want a simple package-and-invoice tool and nothing more.

9. Simply.Coach: contracts and programs with tight tiers

Simply.Coach homepage as it appeared in October 2026, showing its main headline and sign-up button
Simply.Coach's homepage in October 2026.

Simply.Coach is a coaching practice platform with contracts, programs, sessions, booking pages, a client portal and business tiers for coaching firms. A relationship coach can structure an engagement as a contract with a program attached, which mirrors how many couples packages are sold.

As listed in October 2026, solo tiers are Starter $9 per month (3 active coachees, 1 contract, 1 program), Essentials $29 ($24.17 annual; 7 coachees, 3 contracts, 3 programs), Growth $49 (30 coachees, 10 contracts and programs) and Leap $69 (unlimited coachees, contracts and programs). Business tiers are CoCreate at $79 and Surge at $159, each per active coach. A 14-day trial needs no card.

The caps bite fast in this niche. Starter's 3 coachees is one couple and one single; Essentials' 7 is three couples. Contract and program caps also limit how many distinct offers you can run below Leap. Automated invoices are marked "Coming Soon" on the solo pricing page, and there are no refunds for mid-period cancellations. Website, funnels, email marketing and community are not part of the listed offer.

Pick it over Coachful if you coach couples inside an organisation that wants sponsor and program-manager roles, or you need its enterprise-style contract structure.

10. Practice Better: when you also run a wellness practice

Practice Better homepage as it appeared in October 2026, showing its main headline and sign-up button
Practice Better's homepage in October 2026.

Practice Better is practice management software for wellness and nutrition practitioners: scheduling, telehealth, charting, billing, programs and a client portal. It shows up on relationship coaches' shortlists mostly when the coach also offers wellness services or works alongside clinicians.

Prices as listed in October 2026: Sprout is free for 3 clients; Starter is $35 per month ($25 annual) for 10 clients; Professional is $69 ($59 annual) for 300 clients; Plus is $99 ($89 annual) for unlimited clients; Team is $155 ($145 annual) for 2 practitioners. Trials run 14 days on paid plans and 30 days on Team. Trustpilot shows 3.8 from 87 reviews.

Charting and telehealth are useful if your work sits close to clinical services, but the vocabulary and workflows are built for practitioners, not couples coaches. Evergreen programs, portal branding, custom URL and SMS start on Plus. An older profile lists no website builder or funnel pages, and one practitioner per account below Team. A couples coach would still need marketing tools and a community.

Pick it over Coachful if you combine relationship coaching with a wellness or nutrition practice and need charting and practitioner-style records in one place.

11. HoneyBook: proposals and invoices for workshop sellers

HoneyBook homepage as it appeared in October 2026, showing its main headline and sign-up button
HoneyBook's homepage in October 2026.

HoneyBook is a client-management CRM for service businesses with proposals, contracts, invoices, a scheduler and a client portal. Relationship coaches who sell premarital workshops to venues, churches or wedding planners sometimes like its proposal-to-invoice flow.

As listed in October 2026, Starter is $29 per month on annual billing (monthly price not shown), Essentials $59 per month ($49 annual) and Premium $129 ($109 annual). The scheduler and automations are not on Starter. HoneyBook is the payment processor; its own page shows card fees as both 2.7% + 10¢ and 2.9% + 25¢, with ACH at 1.5%. A 30-day free trial needs no card. Trustpilot shows 4.1 from 748 reviews.

The fit for couples coaching delivery is weak: no programs, courses, habits, check-ins or community. It handles the business side of a booking well, then stops at the moment the coaching begins.

Pick it over Coachful if most of your income is B2B workshops and speaking where proposals matter more than client delivery.

12. Dubsado: custom workflows for admin-heavy practices

Dubsado homepage as it appeared in October 2026, showing its main headline and sign-up button
Dubsado's homepage in October 2026.

Dubsado is a client workflow CRM with forms, contracts, invoices, a scheduler and automated workflows. A relationship coach who wants a very specific onboarding sequence (questionnaire to partner A, then partner B, then contract, then invoice) can model it here.

As listed in October 2026, Starter is $35 per month ($27.92 annual) with one active lead-capture form, and Premier is $55 per month ($43.75 annual) with unlimited lead forms. Starter has no scheduler or automations. A 21-day trial gives full Premier access with no card.

Dubsado says itself that it does not build websites and is not an email marketing platform. There are no courses, client community, habits or check-ins, and the mobile app is a companion to the desktop web app. Everything after onboarding would happen in other tools.

Pick it over Coachful if you need deeply customised admin workflows and are happy to deliver the coaching itself somewhere else.

The single-tool price is only half the story. Most of the cheaper rows cover one or two stages, so the real comparison is the stack you need around them.

Should you go all-in-one or assemble a stack?

For most solo relationship coaches, all-in-one is cheaper and calmer, because couples work needs every stage. Here are three common recipes with listed prices from this article (example stacks, not quotes):

Recipe A: the all-in-one

One platform for website, funnels, email, booking, agreements, payments, programs with habits and check-ins, courses and community. With Coachful, that is a single subscription at the plan matching your client count (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients), plus Stripe or Razorpay processing.

Recipe B: admin tool plus community

Paperbell for booking, contracts and payments ($97) plus Mighty Networks Launch for an alumni community ($79 plus a 2% transaction fee) comes to $176 per month before an email marketing tool, which you would price separately. You would still lack habit tracking and check-ins between sessions.

Recipe C: CRM plus exercises plus community

Dubsado Premier for onboarding ($55), Quenza Growth for worksheets ($50) and Circle Professional for community ($89 on annual billing) totals $194 per month, with no website, no email marketing and three logins for clients. Partners would have to remember which app holds which piece of the work.

Beyond money, every extra tool adds a place where a sensitive note can live, an extra login for both partners and another sync to break. That matters more in relationship coaching than in most niches, because both partners need to trust where their information is.

How would a relationship coach set this up in Coachful, step by step?

Here is a worked example for a coach launching an eight-week couples program called "Back to Us". The program name and structure are illustrative.

  1. Request the build. From Create, use the free white-glove option. Describe the site (warm palette, About, Work With Me, a free "Repair Conversation Guide"), attach your logo and existing copy, and ask for a lead magnet funnel and a five-email welcome sequence. The team leaves gaps where you have not supplied testimonials or credentials.
  2. Set the booking page. Create a free 30-minute discovery call and a paid 75-minute joint session type with buffers, minimum notice and intake questions: how long together, what prompted the call, and whether both partners agree to coaching.
  3. Write the agreement. Include scope (coaching, not therapy), confidentiality between partners, consent to record if you use session summaries, and what happens if a safety concern arises. Send it for e-signature before the first session. Have a lawyer review it for your location.
  4. Price the offer. Create the eight-week package as a one-time payment and a payment plan through your Stripe Connect account. Decide your own rate from your market and experience.
  5. Build the program. Ask Michelle to draft an eight-week outline, then edit: week 1 focuses on appreciation, week 3 on repair attempts, week 6 on shared goals. Add a daily appreciation habit, an evening connection check-in and a weekly reflection each partner completes separately.
  6. Enroll both partners. Add each as a client, tag them with a shared couple tag and enroll both in the program. Each gets your branded app with their own tasks and streaks.
  7. Prepare for each session. Before every joint call, read the AI briefing and both partners' check-ins. Watch the client status: if one partner is quiet, open the session by asking about the week rather than the homework.
  8. Plan the after. Add a short "Keeping Us on Track" course and invite graduates to an alumni community space with a monthly video event.

What should you watch for when migrating your couples practice?

Move in a quiet week and keep the old tool live until every active couple has logged in to the new one. Specific tips for relationship coaches:

  • Export each partner separately. Many tools store a couple as one contact. Split them into two records during migration so private notes stay with the right person.
  • Re-sign agreements if scope changed. If your new agreement adds recording consent or a new safety clause, send it fresh rather than relying on the old signed PDF. You can also upload old signed PDFs to the client record for history.
  • Tell couples once, together. A short joint message that explains the new app, what moves and when avoids one partner feeling left out of the change.
  • Do not migrate clinical notes into a coaching tool. If you hold therapy records from a past licensed role, they belong in a clinical system.
  • Let someone else do the import. In Coachful, clients, programs and content are imported for you during onboarding, and a full client data export as a ZIP is available if you ever leave.

Which client portal should a relationship coach choose?

Choose Coachful if you deliver programs to couples or singles and want booking, agreements, payments, between-session habits and check-ins, courses, community and your website in one place, with the build done for you. Choose Kajabi, Mighty Networks or Circle if your business is mainly courses or community at volume. Choose Paperbell, CoachAccountable, Satori or Simply.Coach if you only need session admin and are happy to run delivery and marketing elsewhere. Choose Quenza for a worksheet engine on top of existing admin, Practice Better if you also run a wellness practice, and HoneyBook or Dubsado for proposal-heavy workshop sales.

Whatever you pick, put your scope statement in the agreement, make sure each partner has their own login and private space, and count clients as individuals when you compare prices. Frequently asked questions

What is the best client portal for relationship coaches?

For most relationship coaches who deliver programs, Coachful is the strongest fit because it covers the whole couples journey with one login and one branded client app. If you only sell session packages, a simpler admin tool can work. If your business is mainly a paid community, a community platform may suit you better.

Can both partners have their own login?

In Coachful, you add each partner as their own client, so each has their own app, tasks, check-ins and notes, and you can tag them together as a couple. Many other tools also treat each person as a separate client. Check how a tool counts clients, because a couple usually counts as two.

Is a client portal HIPAA compliant for couples coaching?

Coachful is not HIPAA-certified and does not sign a BAA, and CoachAccountable states it is not HIPAA compliant either. Coaching is not clinical care, so most coaches do not need HIPAA, but if you also practise as a licensed therapist, keep clinical records in a clinical system.

How should I handle a client who discloses abuse?

Stop coaching the relationship as usual and focus on safety. Share appropriate resources, such as the National Domestic Violence Hotline in the US, and refer to a qualified professional. Write your process into your agreement in advance so both partners know it exists.

Do I need a separate tool for between-session homework?

Not if your portal handles programs with habits and check-ins. Coachful includes daily tasks, habits, morning and evening check-ins and weekly goals in your Coachful membership. Booking-first tools like Paperbell or Satori usually push homework into documents or a second tool.

Can I run group programs for couples in the same tool?

Yes, in Coachful a cohort group is created automatically when couples enroll in a program, with a community feed, group chat and video events. Mighty Networks and Circle are also strong for groups but do not cover the one-to-one admin side.

What does the free white-glove service include?

You describe what you need, such as a website, a lead magnet funnel, a couples program or an email sequence, attach up to 8 links and 10 files, and the Coachful team builds it inside your account, usually within about 24 hours. It does not include recording videos, logo design, ad management or ongoing marketing, and nothing is invented: gaps like testimonials are left for you.

Should I record couples sessions for AI summaries?

Only with clear consent from both partners, written into your agreement. Michelle can summarize recorded sessions and brief you before the next call, which saves time, but some couples will prefer not to be recorded and that choice should be easy to make.

Which tool is cheapest for a new relationship coach?

The lowest sticker prices belong to tools with tight caps, such as Simply.Coach Starter or Practice Better's free Sprout plan, and both fill up after one or two couples. Compare the cost of the full stack you need, including website, email and community, rather than the entry price of one tool.

How do I start with Coachful?
