Best Coaching Platforms for ICF Coaches in 2026

The best coaching platforms for ICF coaches do three things an ordinary scheduler does not: they count your coaching hours the way the ICF counts them, they help you capture recordings for mentor coaching and assessment with your client's consent, and they store client information in a way you could defend against the ICF Code of Ethics. Most platforms do one of the three. The question is which combination you need for the credential you are working toward.
We compared eight tools on that combination. Coachful ranks first because it counts completed sessions toward ACC, PCC and MCC automatically, exports a client coaching log with paid and pro bono hours, records sessions from inside the call and keeps private notes away from clients; its team will also build your agreement-and-intake onboarding for you at no extra cost. Zoom and Fathom are on the list for recordings, and Satori, CoachVantage, Delenta and CoachAccountable each bring something specific to ICF work.
What ICF coaches need from a coaching platform
| Need | Why it matters for ICF work | What to look for |
|---|---|---|
| Hours counted automatically | Credentials require documented coaching hours and distinct clients | Totals against each threshold, from sessions you actually held |
| Paid and pro bono separated | The ICF sets minimums for paid hours | A paid or pro bono flag per session, with overrides |
| Group time counted once | A group session is not one hour per participant | Group sessions counted once, each attendee as a distinct client |
| Past sessions logged by hand | Most coaches arrive with history from before the platform | A way to add old sessions so they count |
| A client coaching log export | You keep the log and may be asked to produce it | A clean export you can file |
| Recordings with consent | Mentor coaching and performance evaluation often use recorded sessions | Recording you control, stored where you can find it |
| Agreements and confidentiality | The ICF Code of Ethics expects clear agreements and confidential records | Signed agreements on file, private notes kept from clients, export and deletion |
ICF credential paths, briefly
The three ICF credentials set hour and client thresholds that grow at each level: ACC at 100 hours with 8 clients, PCC at 500 hours with 25 clients, and MCC at 2,500 hours with 35 clients. On top of the hours, the ICF has minimums for paid hours, rules about recent hours and hours after your training starts, mentor coaching, and an assessment. Requirements change, so confirm the current rules on the ICF's own site before you apply.
Our existing guides go deeper on each piece: ACC vs PCC vs MCC, what counts as ICF coaching hours, group coaching hours, pro bono hours, mentor coaching and a coaching log template.

How we chose
We listed what an ICF application and a mentor coach typically ask of you, then checked each tool's own pages for features that answer those asks directly, not features that could be bent to fit. Prices and ratings come from our October 2026 records. We make Coachful and rank it first; its "does not" list below is as important as its features.
1. Coachful: best coaching platform for ICF coaches
Coachful builds your ICF log from the sessions you already run. Completed one-to-one, cohort, group and intake sessions you hosted are totalled into hours and distinct clients and shown against the ACC, PCC and MCC thresholds on the Coach development panel. Sessions on built-in video and on Zoom, Meet or Teams links created through Coachful all count.

How it counts
- Group time once. A ninety-minute group session counts as one and a half hours, and each attendee counts once as a distinct client, the way the ICF counts it.
- Paid and pro bono. Worked out from the payment on each session, and you can override either.
- What is left out. No-shows, cancellations and sessions you did not lead.
- Your history. Log a past session by hand from the client page, with its title, date, time and duration, and it counts like any other.
- The export. A client coaching log covering paid and pro bono hours, to keep and to produce if your application is audited.

Recordings, notes and ethics
On built-in video you start, pause and resume recording from the call controls, which makes it straightforward to capture a session for mentor coaching once your client has agreed. Recorded sessions can be summarized by AI using AI credits. If you turn it on, each summary can include private feedback on your own coaching against ICF Core Competencies three to eight, scored one to five, with trends such as open questions asked and how much of the call you talked. It is a self-development aid you control, never shown to the client, and not an ICF assessment.
Agreements are e-signed before the first session and stored on the client record. Private notes stay on your side, shared notes appear in the client's My Coaching hub, and all client data exports as a ZIP when a client asks for their records or you need to hand them over.

Why Coachful stands out: a free white-glove service. Every Coachful plan includes a build service at no extra cost. From Create > We'll build it for you, ask for an onboarding journey with your coaching agreement, a recording-consent question and an intake form, and the Coachful team builds it in your account, usually within about 24 hours. They use your own agreement text and never invent credentials. See the white-glove service guide.
What it does not do: it does not know when your coach training started or how many mentor coaching hours you have, so treat its count as a head start on your log rather than the log itself. It does not submit anything to the ICF; you keep and file the log. It does not review your agreement text, and it is not HIPAA certified. Full detail on Coachful ICF hour tracking.
2. Zoom: best for recording sessions for mentor coaching

Zoom is where many coaches already record the sessions they share with a mentor coach, and its recording, plus AI Companion summaries with next steps according to its website in October 2026, makes the capture easy. Falls short: it counts nothing toward your credential and holds no client record. Use it beside a platform that logs the hours; Coachful creates Zoom links for sessions, so those sessions still count.
3. Fathom: best for transcripts of recorded sessions

Fathom records, transcribes and summarizes calls on Zoom, Meet or Teams, and its homepage in October 2026 lists SOC 2 Type II, GDPR and HIPAA compliance and a bot-free option. Transcripts are useful when you review your own sessions against the competencies before mentor coaching. Falls short: no hour tracking. Coachful's Fathom connection, in beta, files transcripts and summaries under the matching session.
4. Satori: best for simple admin with an ICF log

Satori sends a prospect through questionnaire, coaching agreement, payment and booking in one link, and exports an ICF coaching log. Its free Scholar plan covers pro bono clients only, which suits coaches building pro bono hours. Essentials is $33 a month for up to 10 active paying clients.
Falls short: no native Zoom integration, no app, and calendar sync that reviewers call one-directional. Pick it if you want quiet admin and a log, and little else.
5. CoachVantage: best for ICF-format logs on a budget

CoachVantage keeps coaching logs in ICF format alongside e-signature contracts, booking pages, invoicing and goal tracking, with unlimited clients. Clarity is $39 a month and Aha! is $59. Capterra reviewers rate it 4.8 from 26 reviews.
Falls short: Clarity caps e-signatures at 4 a month and booking pages at 2, support is email only, and reviewers use Zoom instead of its built-in video. Pick it for a low flat price with logs built in.
6. Delenta: best for feedback against ICF markers

Delenta is an ICF partner, and its Delenta-i note-taker writes session summaries scored against ICF markers. It covers programs, contracts, invoicing and a white-label app on Premium, and announced HIPAA compliance in March 2026. Starter is $29 a month for 10 client portals.
Falls short: we could not verify an hour-tracking or coaching-log export feature, and reviewers mention a learning curve. Pick it if marker-based feedback is what you want from software.
7. CoachAccountable: best for privacy-first ICF coaches

CoachAccountable's agreements capture signatures, initials, a timestamp and IP address, its reports cover sessions and activity, and it states that it does no AI or machine-learning processing of coaching content. Pricing follows active clients from $20 a month for 2.
Falls short: no ICF-specific hour panel or log export that we could verify, and no native app. Pick it if keeping AI away from client data is a firm principle.
8. A spreadsheet log: the baseline
Every ICF coach can keep a log in a spreadsheet: client name or identifier, contact details, dates, hours, paid or pro bono, individual or group. It works, and plenty of credentialed coaches have done exactly that. Falls short: it depends on you entering every session, and reconstructing two years of calls the week before you apply is the classic failure. Start from our ICF coaching log template if you go this way.
An ethics checklist for your coaching platform
- A signed agreement before the first session, covering confidentiality, its limits, fees and how records are kept.
- Explicit consent for recording and AI notes, asked separately and recorded. See AI session notes and client consent.
- Private notes kept from the client view, and shared notes written for the client.
- A retention rule: how long you keep records and how you delete them. Our record retention and deletion guide has a template.
- An export you can hand over when a client asks for their records or you change platforms.
- Clear boundaries with therapy, including a referral path. See separating therapy and coaching operations.
Frequently asked questions
Which coaching platform tracks ICF hours automatically?
Coachful counts completed one-to-one, cohort, group and intake sessions toward ACC, PCC and MCC thresholds automatically, counts group time once, separates paid and pro bono hours, and exports a client coaching log. Satori and CoachVantage export coaching logs too, though without Coachful's automatic credential progress.
What are the best coaching platforms for ICF coaches working toward PCC?
For PCC you need 500 hours with 25 clients, plus paid-hour minimums, mentor coaching and an assessment. Coachful handles the hour count and log, records sessions for mentor review and gives optional private feedback against Core Competencies three to eight. Zoom or Fathom add recordings and transcripts if you coach elsewhere.
Do group coaching sessions count toward ICF hours?
They can. Coachful counts a group session's time once rather than once per participant, and each attendee once as a distinct client. Check the ICF's current rules on group hours in our group coaching hours guide.
Does Coachful submit my hours to the ICF?
No. Coachful gives you the count, the client list and the coaching log export; you keep the log and submit your own application. It also does not know your training start date or mentor coaching hours, so add those yourself.
Is AI note-taking compatible with the ICF Code of Ethics?
The Code expects confidentiality and clear agreements, so the safe approach is explicit, informed consent before any recording or AI processing, written into your agreement, and a tool whose storage you understand. In Coachful, recording happens only when you start it in the call, and competency feedback stays off until you switch it on and remains private to you.
Can I add coaching hours from before I joined a platform?
In Coachful, yes: log a past session from the client page with its title, date, time and duration, and it counts toward credential progress. Old session notes also import from PDF, DOCX, TXT or Markdown files.
Can Coachful set up my coaching agreement and intake for me?
Yes, at no extra cost on every plan. Use Create > We'll build it for you to request an onboarding journey with your agreement, consent questions and intake form. The Coachful team builds it in your account, usually within about 24 hours, using your own agreement text.
