Best CRM Australia: Top 10 Picks for 2026

Best CRM Australia: Top 10 Picks for 2026

The best CRM in Australia for a coach, consultant or other service business is the one that takes a stranger from enquiry to booked, signed, paid and supported client without you copying their details between four apps. Searching "best crm australia" mostly turns up sales-pipeline tools built for teams chasing deals. A practice that sells sessions and programs needs something different: booking that copes with Perth, Brisbane and Sydney time zones, invoices that work once you register for GST, client records you can defend under the Privacy Act, and somewhere for clients to do the work between calls.

Our pick is Coachful, because it runs that whole client journey in one login: lead capture, booking, agreements, payments through your own Stripe account, programs with habits and check-ins, courses, community, website and email. We make Coachful, so weigh that, but we have ranked the other nine on what their vendors document and listed when each one is the better choice for you. Prices for the other tools are the US dollar figures their pricing pages showed in October 2026; none of them listed Australian dollar pricing in the data we gathered.

If you are still choosing a business structure or applying for an ABN, start with our guide on how to start a coaching business in Australia, then come back here. If you want the wider category view, our best CRM for coaches guide covers the same ground without the Australian lens.

What do Australian coaches and service businesses need from a CRM?

They need a contact database that also books, bills and delivers, and that respects Australian tax and privacy rules. A generic sales CRM handles the first part well and the rest poorly, which is why many solo practices end up paying for a CRM plus a scheduler plus an invoicing app plus a course host.

A client journey, not a deal pipeline

A consultant or coach rarely has a 12-stage deal board. The journey is shorter and more personal: someone downloads a guide or books a discovery call, answers a few intake questions, gets a proposal or offer, signs an agreement, pays, and then works with you for weeks or months. The CRM's real job is to keep every piece of that history on one record, so that before a session you can see what they said in intake, what they paid, and whether they did last week's tasks.

GST-ready invoicing

The ATO says you must register for GST once your GST turnover reaches $75,000 a year (ATO: registering for GST). Plenty of new practices sit below that line, but a growing one will cross it, and from then on your prices include GST and your invoices need to work as tax invoices. The ATO lists what a tax invoice must show, including your ABN and the GST amount or a statement that the price includes GST (ATO: tax invoices). Before you commit to any CRM, generate a test invoice and check those details appear. Your accountant should confirm the wording for your situation.

Privacy Act obligations you can actually meet

The Privacy Act 1988 and the 13 Australian Privacy Principles govern how covered organisations collect, store, use and disclose personal information (OAIC: Australian Privacy Principles). Many small businesses with annual turnover of $3 million or less are exempt, but the OAIC lists exceptions, and one of them is a business that provides a health service and holds health information (OAIC: small business). Health, wellness, nutrition and some mindset coaches can fall into that group. Even if you are exempt, the APPs are a sensible standard: collect only what you need, know where it is stored (most CRMs on this list host data overseas, which APP 8 addresses for covered businesses), and be able to export or delete a client's record on request.

Booking across three time zones and two daylight-saving rules

Queensland, the Northern Territory and Western Australia do not shift to daylight saving, while New South Wales, Victoria, the ACT, Tasmania and South Australia do. A Sydney coach with clients in Brisbane and Perth will see their offset to those clients change twice a year. Your booking page needs to detect the client's time zone and send reminders in their local time, or you will get missed calls every April and October.

A .com.au address and a brand clients trust

Many Australian clients look for a .com.au domain. auDA's licensing rules require an Australian presence to hold one, and an ABN is the usual way sole traders show it (see auDA's licensing rules; apply for an ABN through the Australian Business Register). Check that the CRM or website tool you choose supports a custom domain on the plan you will pay for, because a booking link on someone else's domain undercuts the brand you registered.

Delivery between sessions

This is where coaches part ways with other service businesses. A bookkeeper sends a report; a coach needs the client to practise, reflect and check in. If your CRM cannot hold programs, habits or check-ins, you will bolt on another app, and the client will log into two places.

How did we choose and rank these tools?

We started from the jobs an Australian practice does every week and scored each tool on whether it handles them natively, using vendor pricing pages and documentation as listed in October 2026 and public review profiles. We did not run hands-on trials, so treat this as a documentation and pricing comparison.

  • One login for the client journey. Lead capture, booking, agreement, payment and follow-up on one client record.
  • Between-session delivery. Programs, habits, check-ins, courses or community that clients use without a second app.
  • Total stack cost. The plan price at 5, 15 and 40 clients, plus anything you would still need to buy separately.
  • Setup effort. How long until it is usable, and whether the vendor will build parts of it for you.
  • Australian fit. Payment processors available here, time-zone handling, custom domains, data export for privacy requests.

Dedicated coaching platforms such as Paperbell, Practice Better and CoachAccountable sit at #5 to #7: they do the coaching basics well but each leaves out marketing or delivery pieces. General CRMs rank where their strengths lie for service businesses. For a wider look at platforms rather than CRMs, see our best coaching software in Australia roundup.

1. Coachful: the whole client journey in one login

Coachful's client grid on a laptop and its payments table on a tablet on a timber desk
Coachful's client grid with status tags on the laptop and its invoice table on the tablet, both with demo data.

Coachful is a coaching platform that works as a CRM for practices that deliver programs, not only sessions. One subscription covers booking, payments, contracts, programs with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. You get one login, and your client gets one branded app. It suits solo coaches and consultants, small teams growing past one coach, and anyone replacing four to six tools. The company is based in Tallinn, Estonia, and is GDPR-ready.

From enquiry to signed client

Leads arrive from a booking, application, lead-magnet or checkout funnel, or from your Instagram comments and DMs through the Instagram automations, and they land on the Prospects page with the form or resource they came from and their stage. Intake questions on the booking form attach to the record, so the discovery call starts with context.

Coachful's Prospects page: a table of demo leads with date, contact details, the form or resource they came from and their stage.

Booking pages handle availability rules, buffers, minimum notice and time-zone detection, which deals with the Perth and Brisbane daylight-saving problem described above. Calendars sync two ways with Google, Apple/iCloud and Outlook, and each booking gets a built-in video room or an auto-created Zoom, Meet or Teams link. Email reminders are standard, with SMS 24 hours before and WhatsApp one hour before once messaging is enabled.

A coaching agreement with e-signature goes out before the first call and is stored on the client record, so you are not hunting through email when a scope question comes up. Our coaching contracts page shows the flow.

Getting paid in Australia

Payments run through your own Stripe Connect account (or Razorpay), so funds settle to your Stripe balance and your normal Stripe processing rates apply. Coachful charges a 0% platform fee on sales since August 2026. You can sell one-time packages, subscriptions, payment plans, order bumps and coupons, take Apple Pay and Google Pay, issue refunds, and use Stripe Tax. Every transaction produces an invoice, and you can raise manual invoices too. Once you register for GST, generate a test invoice and have your accountant check it against the ATO's tax invoice requirements. There is no PayPal option.

Delivery between sessions

This is the part most CRMs on this list cannot do. Programs run over multiple weeks with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Courses with modules, drip and completion tracking, downloads, videos and events all sit in the client's branded home and app. When a client enrols in a program, Coachful creates a cohort group automatically, with a community feed, group chat and video events.

The client's Programs view in Coachful: an enrolled demo group program, its current week, members and the way into the program.

Each client record pulls goals, check-ins, habits, notes, intake answers, tags, payments and sessions together, and flags the client as thriving, active, quiet or at risk. Michelle, the built-in AI assistant, works from that live data: it briefs you before a session, drafts emails and content, builds programs and summarises recorded sessions. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. ICF credential tracking counts your hours and distinct clients against ACC, PCC and MCC thresholds and exports a client coaching log.

Here is a short walkthrough of how leads move through the Prospects view:

Website, email and marketing

The section-based website builder includes a blog, custom domain (so your .com.au works), SEO settings and 30 designed homepage templates. Email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits are included, and the social planner schedules posts to Instagram, Facebook, LinkedIn, X, Threads and YouTube from one calendar. Integrations cover Zapier, Meta Pixel and GA4 for anything else.

Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you · FREE" and describe what you want: a website, funnel, sales page, program, course outline, email sequence, form, link in bio or automation. Attach up to 8 reference links and 10 files such as your logo, brand guide and existing copy. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. A leadership coach with a website renewal days away, for example, got one clean homepage with a repeated "talk with me" button. It does not cover recording videos, logo design or running ads. Read more about the free white-glove service.

What Coachful does not do

Coachful is not HIPAA-certified and is not built for clinical records or insurance billing, so allied health practitioners should keep clinical notes in a clinical system. There is no PayPal and no permanent free plan, though there is a free trial. The client app ships under the Coachful listing with your branding, not under your own App Store account. There is no multi-stage deal board for large sales teams and no Salesforce or HubSpot integration. Plans are flat monthly, lower plans cap the number of clients, Pro is unlimited and team plans add coach seats (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). 2. HubSpot: the free CRM for contact-heavy businesses

HubSpot's homepage on desktop as it appeared in October 2026
HubSpot's homepage in October 2026.

HubSpot is a general CRM and marketing and sales suite, and its free tier is the most generous starting point on this list for a business that mainly needs to organise contacts. As listed in October 2026, Free tools cost $0 for up to 2 users and 1,000 contacts, with 2,000 email sends a month (HubSpot-branded), one branded meetings link, up to 30 branded landing pages and one automated email action. There is no time limit and no card required.

Where the free tier earns its place

For an Australian consultancy that runs on referrals and email, the free CRM covers contacts, companies, deals, tasks, email tracking and live chat. Starter is listed at a standard $20 per seat per month (a limited-time promo showed $10 monthly or $7 annually), which removes HubSpot branding, adds 1,000 meetings links and up to 15 pipelines. Professional is $100 per seat monthly and requires a one-time onboarding fee whose amount the platform page does not show.

The Australian payment catch

HubSpot Payments is listed for the US, Canada and the UK only. An Australian business would use Stripe inside HubSpot, where HubSpot adds a 0.75% platform fee on top of Stripe's own card rate. On a practice billing $8,000 a month (an example figure), that is about $60 a month in HubSpot fees alone. Quotes require Professional.

HubSpot has no client delivery: no programs, habits, check-ins, course hosting or client community. Coaches who use it usually add a separate course or community tool, which means a second login for clients and a second subscription for you. Its Trustpilot profile showed 1.5 from 1,176 reviews when checked in October 2026.

Pick it over Coachful if you run a contact-heavy business with a sales team working deals, you need Salesforce-style pipelines or HubSpot's ecosystem, and you deliver your actual service somewhere else.

3. HoneyBook: proposals and contracts for creative services

HoneyBook's homepage on desktop as it appeared in October 2026
HoneyBook's homepage in October 2026.

HoneyBook is a client-management CRM for service businesses, strongest at the proposal, contract and invoice sequence that photographers, designers and consultants send to win a job. As listed in October 2026, Starter is $29 a month billed annually (the monthly price was not shown), Essentials is $59 monthly or $49 annually for up to 2 team members, and Premium is $129 monthly or $109 annually with unlimited team members. All plans include unlimited clients and projects, and there is a 30-day free trial with no card.

Fit for a consulting engagement

If your work is sold as projects, such as a six-week strategy engagement for a Brisbane small business, HoneyBook's proposals bundle the scope, the contract and the first invoice into one document the client signs and pays. The client portal keeps files and messages in one place. That suits scope-based consulting more than ongoing coaching.

Gaps to check before you sign up

The scheduler and automations are not on Starter; you need Essentials. Payments must run through HoneyBook's own processing, and its pricing page lists rates in US cents and dollars, with two conflicting card rates (2.7% + 10¢ in the FAQ and 2.9% + 25¢ in the plan comparison). Because processing is HoneyBook's own, confirm it accepts Australian businesses and settles in AUD before you build your workflow on it; we did not find Australian pricing in the October 2026 data. Prices also rose in February 2025, from $19, $39 and $79 to higher tiers.

There is no coaching delivery: no programs, courses, habits, check-ins or community. Trustpilot showed 4.1 from 748 reviews in October 2026.

Pick it over Coachful if you sell fixed-scope projects with proposals, your clients do not need anything between meetings, and HoneyBook's processing works for your Australian bank account.

4. Dubsado: workflows for form-heavy consultancies

Dubsado's homepage on desktop as it appeared in October 2026
Dubsado's homepage in October 2026.

Dubsado is a client workflow CRM built on forms, contracts, invoices, a scheduler and automated workflows. It appeals to consultants and service providers who want every step after an enquiry to fire on its own: questionnaire, then proposal, then contract, then invoice, then a welcome email.

Pricing as listed in October 2026

Starter is $35 a month ($27.92 billed annually) with unlimited clients and projects but only one active lead-capture form. Premier is $55 a month ($43.75 annually) with unlimited lead forms. The 21-day trial gives full Premier access without a card. Dubsado states no platform fee on payments, and you can optionally pass card surcharges to the client; if you surcharge, keep it to your actual cost of acceptance and check the current consumer rules first.

What you would still need

The scheduler and automations are not on Starter, so most practices will be on Premier. Dubsado says itself that it does not build websites and is not an email marketing platform, so you will pay separately for a site, a newsletter tool and probably a course host. The mobile app is a companion; full functionality needs the desktop web app. There are no courses, community, habits or check-ins.

For a business coach running a structured onboarding for corporate clients in Melbourne, Dubsado's conditional workflows are powerful. For a coach whose value is in the weeks between calls, it covers the paperwork and stops there. The Trustpilot profile had only one review in October 2026, too few to read anything into.

Pick it over Coachful if your work is paperwork-driven, you want deeply customised form-to-invoice workflows, and you already have a website and email tool you like.

5. Paperbell: simple admin for solo package coaches

Paperbell's homepage on desktop as it appeared in October 2026
Paperbell's homepage in October 2026.

Paperbell is all-in-one admin for solo coaches, and it is the closest thing on this list to a coaching-specific CRM with a single price. As listed in October 2026, it costs $97 a month ($80.83 annually) with unlimited clients, sessions, files, packages and traffic. A "Try For Free" button is shown, and the pricing page mentions a 30-day money-back guarantee.

The package-selling sweet spot

Paperbell handles booking, packages, payments, contracts, a client portal and a simple website. A life coach in Adelaide selling a six-session package can set up a landing page, take payment, collect a signed agreement and let the client book, all in one flow. Paperbell states no additional transaction fees; Stripe or PayPal processing applies, and Stripe works for Australian accounts.

Where it stops

From older profile data, Paperbell has no courses or LMS, no community and no goal or habit tracking, and no native mobile app (clients use the mobile browser). Its help centre in July 2026 described a 7-day trial with the public site offline and client messages and SMS switched off. The flat price is per coach, so it costs the same with 3 clients as with 30, which is good value as you grow and steep while you are starting. Trustpilot showed 3.5 from 14 reviews in October 2026.

Paperbell also offers PayPal, which Coachful does not. If many of your clients prefer PayPal, that is a genuine point in its favour. For a fuller comparison, see our Paperbell alternatives page.

Pick it over Coachful if you sell 1:1 packages only, you never plan to run group programs, courses or a community, and you need PayPal checkout.

6. Practice Better: practice management for wellness practitioners

Practice Better's homepage on desktop as it appeared in October 2026
Practice Better's homepage in October 2026.

Practice Better is practice management for nutrition and wellness practitioners: scheduling, telehealth, charting, billing, programs and a client portal. Australian naturopaths, nutritionists and health coaches often shortlist it because it looks and feels clinical.

Tiers by client count

As listed in October 2026: Sprout is free for 3 clients and 100 MB; Starter is $35 a month ($25 annually) for 10 clients; Professional is $69 ($59 annually) for 300 clients; Plus is $99 ($89 annually) for unlimited clients and 3 admins; Team is $155 ($145 annually) for 2 practitioners. Trials run 14 days on paid plans and 30 days on Team. Payments go through Practice Better Payments, powered by Stripe, with rates not listed on the pricing page.

The privacy angle for health coaches

Because the OAIC treats businesses that provide a health service and hold health information as covered by the Privacy Act regardless of turnover, a health coach handling food logs, symptoms or medical history should think carefully about where that data lives. Practice Better's charting suits practitioners who keep clinical-style notes. Coaching is not treatment, though: if a client describes symptoms that need diagnosis, refer them to their GP or an appropriate health professional, whatever software you use. Coachful is not HIPAA-certified and is not meant for clinical records, so a practitioner who charts clinically may be better served here.

The limits: evergreen programs, portal branding, custom URL and SMS start on Plus at $99, and older profile data shows no website builder or funnel pages. Below Team, it is one practitioner per account. Trustpilot showed 3.8 from 87 reviews in October 2026. See our best CRM for health coaches for the health-specific view.

Pick it over Coachful if you are a practitioner who keeps clinical-style charts and runs telehealth consults, and you do not need a website, funnels or a community in the same tool.

7. CoachAccountable: per-client pricing for accountability coaching

CoachAccountable's homepage on desktop as it appeared in October 2026
CoachAccountable's homepage in October 2026.

CoachAccountable is a coaching back office built around sessions, action plans, metrics, worksheets, courses, invoicing and agreements. It is popular with executive and business coaches who track client commitments closely between calls.

How the per-client price scales

As listed in October 2026, pricing is by active client: Starter $20 a month for 2, Level 1 $40 for 5, Level 2 $70 for 10, Level 3 $120 for 20, Level 4 $250 for 50 and Level 5 $400 for 100. The 30-day trial needs no card and has no limits. That structure is cheap for a handful of high-ticket executive clients and expensive for a group program, because every participant counts.

Strengths and gaps

Action plans and metrics are CoachAccountable's core, and worksheets and courses add some between-session delivery. Older profile data shows no native mobile app, and no landing pages, website or marketing automation, so lead generation happens elsewhere. It also states it is not HIPAA compliant. Processing runs through Stripe, Square or PayPal according to older profile data, and transaction fees are not listed on the pricing page. Trustpilot showed 4.8 from 47 reviews in October 2026, the strongest rating among the coaching-specific tools here.

An executive coach in Canberra with eight government or corporate clients paying by invoice could run CoachAccountable on Level 2 comfortably. A coach planning a 30-person cohort would pay Level 4. Compare more options on our CoachAccountable alternatives page, or read the best CRM for executive coaches.

Pick it over Coachful if you coach a small number of 1:1 clients, your method revolves around detailed action plans and metrics, and you already have a website and email tool.

8. GoHighLevel: an agency-grade marketing CRM

GoHighLevel's homepage on desktop as it appeared in October 2026
GoHighLevel's homepage in October 2026.

GoHighLevel (HighLevel) is an agency-first, all-in-one marketing CRM covering funnels, websites, calendars, SMS and email, invoicing, contracts, courses and communities, all organised into sub-accounts. Marketing agencies resell it to clients, and some marketing-led coaches use it directly.

Price as listed, plus usage

As listed in October 2026: Starter is $97 a month ($80.83 annually) with 3 sub-accounts and unlimited users and contacts; Unlimited is $297 ($247.50 annually); Agency Pro is $497 ($414.17 annually); Enterprise is custom. The 14-day trial bills automatically at the end unless cancelled. On top of the plan, SMS, email, phone numbers and AI are metered and billed separately, with per-unit rates on separate pricing guides, so your monthly bill depends on how many reminders and messages you send to Australian mobiles.

The coaching gap

There is no habit tracking, client check-ins or structured coaching-program engine; you would simulate them with workflows and forms. There are no built-in video rooms, only Zoom and Google Meet links. HIPAA support is a $297-a-month add-on. GoHighLevel's Trustpilot profile showed 4.9 from 15,250 reviews in October 2026, a far larger review base than any other tool here. If you send SMS marketing, remember that Australia's Spam Act requires consent and an unsubscribe option, whichever tool sends it.

Pick it over Coachful if you run an agency serving many client businesses, you want white-labelled sub-accounts, and you have the time or staff to build coaching delivery out of workflows.

9. Keap: email automation for established small businesses

Keap's homepage on desktop as it appeared in October 2026
Keap's homepage in October 2026.

Keap is a small-business CRM with email and text marketing automation and a library of prebuilt "proven automations". It has served established service businesses for many years and suits a practice whose growth comes from a large email list.

Cost of entry

As listed in October 2026, the single plan starts at $299 a month ($249 annually) for 1,500 contacts and 2 users, with extra users at $39 a month each and contacts priced in tiers. A one-time implementation package is required ($500, shown discounted from $1,500), and the annual contract carries a $299 early termination fee. The 14-day trial needs no card but is capped at 25 emails and cannot process payments or send texts.

Payments that work here

Keap Pay is US-only, but Keap also connects to PayPal, Stripe and Eway, and Eway is a long-standing Australian gateway. Keap says processors charge their standard rates with no Keap fee on top. You get quotes, one-time and recurring invoices, checkout forms, subscriptions and a built-in appointment scheduler.

What you do not get: course hosting, a membership area, a client portal, a client-facing app, coaching programs, habits or check-ins. Trustpilot showed 1.1 from 498 reviews in October 2026. At about $3,500 for the first year on annual billing once implementation is included (our arithmetic from the listed prices), it is a big commitment for a new practice.

Pick it over Coachful if you already have thousands of contacts, your revenue depends on sophisticated email and text campaigns, and you want an Australian gateway like Eway.

10. Bonsai: per-user billing for freelancers

Bonsai's homepage on desktop as it appeared in October 2026
Bonsai's homepage in October 2026.

Bonsai is business management for freelancers and small agencies: proposals, contracts, invoices, time tracking and projects. It fits consultants who bill by the hour or by deliverable rather than by coaching package.

What each tier unlocks

As listed in October 2026, every plan is per user: Basic $15 a month ($9 annually), Essentials $25 ($19), Premium $39 ($29) and Elite $59 ($49), with Elite requiring at least 3 users. Basic has no invoicing or payments, so a billing consultant needs Essentials at minimum. The 7-day trial gives full access without a card to start.

Fees and Australian fit

Bonsai's pricing page links fees out to its help centre. Older profile data shows Bonsai Payments at 2.9% + $0.30 for cards, and a 1% platform fee when you use your own Stripe or PayPal where Bonsai Payments is available; we could not re-read that help article in October 2026, so confirm the rate for Australian accounts. A custom domain was marked "expected in 2026", so your client-facing pages may sit on Bonsai's domain rather than your .com.au for now.

There are no courses, community, client habits, check-ins or coaching programs. Time tracking is the standout for an hourly IT or marketing consultant in Perth. Trustpilot showed 4.3 from 641 reviews in October 2026.

Pick it over Coachful if you bill by the hour, need time tracking and project management, and your clients never need a program or app between meetings.

How do the features compare?

Coachful is the only tool here that covers booking, payments, agreements, between-session delivery, website and email marketing together. "Not listed" means the vendor data we used did not document the feature, not that it is definitely missing.

What does each CRM cost at 5, 15 and 40 clients?

Two Australian notes. First, exchange rates move, so a US dollar price can cost a different amount each month on your card statement, and your bank may add a foreign transaction fee. Second, overseas software sellers may charge GST on subscriptions sold to Australian buyers who are not GST-registered; if you are registered, quoting your ABN to the vendor usually changes that. Check the treatment with your accountant.

How would an Australian coach set this up in Coachful, step by step?

Here is an example setup for a Sydney-based career coach who sells a 12-week program to clients across Australia, runs discovery calls, and wants leads from Instagram. The steps follow what Coachful documents; your own order may differ.

Coachful's funnels page listing a free webinar funnel, a lead magnet funnel and a program launch funnel (demo data).
  1. Get your registrations in order. Apply for an ABN, register your .com.au domain, and decide with your accountant whether to register for GST now or when you approach the $75,000 threshold.
  2. Connect Stripe and your calendar. Link your own Stripe account through Stripe Connect so payouts land in your Australian bank account, and switch on Stripe Tax if you are GST-registered. Connect Google, Apple/iCloud or Outlook calendar for two-way sync.
  3. Create the discovery call. Set availability, buffers and minimum notice, and add intake questions such as current role, target role and timeline. Time-zone detection shows Perth clients their local times automatically. Turn on SMS reminders 24 hours before once messaging is enabled.
  4. Write the agreement. Add your coaching agreement with scope, cancellation policy, refund terms and a plain-language privacy note about what you store and why. It goes out for e-signature before the first call. Have a local lawyer review the terms.
  5. Build the offer. Create the 12-week program with weekly goals, daily tasks and a weekly check-in. Set it as a one-time payment or a payment plan, with an order bump such as a CV review. Start from one of the 40-plus program templates if you prefer.
  6. Put up the website and funnel. Pick one of the 30 homepage templates, connect your .com.au, and set up a booking funnel to the discovery call and a lead-magnet funnel for a free guide. Or ask the team to build both for free through the white-glove service.
  7. Connect Instagram. Under Connections, link your Instagram professional account, then add an automation so anyone who comments a keyword such as "GUIDE" on a post gets the lead magnet link by DM and lands in Prospects.
  8. Add a follow-up sequence. Write a short email sequence for people who download the guide but do not book, with a delay and a branch for those who open but do not click. Include an unsubscribe option to stay within the Spam Act.
  9. Run the first cohort. When clients enrol, Coachful creates the cohort group. Use the client record's status (thriving, active, quiet, at risk) and Michelle's pre-session briefing to decide who needs a nudge this week.
  10. Plan for privacy requests. Note that a full client data export is available as a ZIP, so you can respond if a client asks what you hold about them.

What mistakes should you avoid when choosing a CRM in Australia?

  • Buying a sales pipeline when you need a client journey. A deal board is useless if your real problem is clients going quiet in week three. Score tools on delivery, not only on lead tracking.
  • Ignoring the payment processor. Several tools on this list route payments through their own processing or add a platform fee when you bring Stripe. Check what you will pay per transaction and whether payouts reach an Australian bank account in AUD.
  • Testing invoices too late. Generate a test invoice before you go live, and again when you register for GST, to check your ABN and GST details appear the way the ATO requires.
  • Assuming the small business privacy exemption covers you. Health coaches holding health information may be covered whatever their turnover. Read the OAIC guidance and write a privacy policy that matches what your CRM actually stores.
  • Forgetting daylight saving. Test a booking from a Queensland or Western Australian time zone in October and April before clients do it for you.
  • Counting only the plan price. Add the website, email, course and community tools you would still need, plus metered SMS, implementation fees and exchange-rate costs.
  • Locking into annual contracts early. Some vendors charge early termination fees. Start monthly until you know the tool fits.

Which CRM should an Australian coach or service business choose?

For coaches, consultants and other service businesses that deliver programs, Coachful is the best CRM in Australia on our criteria: one login for lead, booking, agreement, payment and delivery, your own Stripe account with no platform fee, time-zone-aware booking, a website on your .com.au, and a free white-glove build so you are not setting it up alone. Choose HubSpot if you mostly need a free contact database for a sales team, HoneyBook or Dubsado for proposal and paperwork-driven projects, Practice Better for clinical-style wellness practice, CoachAccountable for a few metric-driven 1:1 clients, GoHighLevel for an agency, Keap for a large existing list, and Bonsai for hourly freelance work.

Not sure your practice fits? Coachful is for coaches who sell sessions and programs and want clients doing the work between calls. It is not for clinical record-keeping, large sales teams or businesses that need PayPal. The quickest way to find out is to start a free trial and request a white-glove build of your site or first program. You can also browse the coaching software overview or compare plans on the plans page.

Frequently asked questions

What is the best CRM in Australia for small service businesses?

For coaches and consultants who deliver ongoing programs, Coachful covers the most of the client journey in one tool. For a contact-heavy sales business, HubSpot's free tier is a common starting point. Freelancers who bill by the hour often prefer Bonsai for its time tracking.

Do any of these CRMs list prices in Australian dollars?

None of the third-party vendors in this list showed Australian dollar pricing in the data we gathered in October 2026; their prices are in US dollars. Expect your card statement to vary with the exchange rate, and check for foreign transaction fees with your bank.

Do I need to register for GST before using a CRM?

No. You must register for GST once your GST turnover reaches $75,000 a year, according to the ATO. Your CRM should still let you issue invoices that work as tax invoices once you register, so test that early and check with an accountant.

Does the Privacy Act apply to a small coaching business?

Many businesses with annual turnover of $3 million or less are exempt, but the OAIC lists exceptions, including businesses that provide a health service and hold health information. Health and wellness coaches should read the OAIC's small business guidance and consider following the Australian Privacy Principles either way.

Can I use my own .com.au domain with these tools?

Coachful's website builder supports a custom domain, so a .com.au you hold can point to your site. Bonsai's custom domain was marked as expected in 2026, and Practice Better's custom URL starts on Plus. To register a .com.au, auDA requires an Australian presence, commonly shown with an ABN.

What is Coachful's free white-glove service?

From Create, you choose "We'll build it for you · FREE" and describe a website, funnel, program, course outline, email sequence or other build, attaching up to 8 links and 10 files. The Coachful team builds it inside your account, usually within about 24 hours, without inventing credentials, testimonials or prices. It is free on every plan and does not include video recording, logo design or ads.

Which CRM takes payments in Australia without an extra platform fee?

Coachful charges a 0% platform fee and runs payments through your own Stripe account. Dubsado and Keap state no fee of their own on top of processor rates, and Paperbell states no additional transaction fees. HubSpot adds 0.75% when you use Stripe, and Bonsai's older help data showed 1% on your own Stripe or PayPal.

Can a health coach store client health notes in a CRM?

You can store coaching notes, but treat any health information carefully under the Privacy Act. Coachful is not HIPAA-certified and is not built for clinical records; if you keep clinical charts, a practice-management tool such as Practice Better may suit that part. Coaching is not treatment, so refer clients with symptoms that need diagnosis to their GP.

Is there a CRM with SMS reminders for Australian clients?

Coachful sends SMS reminders 24 hours before a session once messaging is enabled, alongside email reminders. GoHighLevel and Keap also offer SMS, with GoHighLevel's usage metered separately. Whatever you use, marketing texts need consent and an unsubscribe option under the Spam Act.

How hard is it to switch CRMs mid-year?

It depends on the export each tool offers and how many active clients you have. Coachful imports clients, programs and content for you during onboarding and offers a full client data export as a ZIP if you ever leave. Avoid switching in the middle of a cohort if you can.
