Best Coaching Software Australia: 10 Picks, Ranked for 2026

Best Coaching Software Australia: 10 Picks, Ranked for 2026

The best coaching software in Australia is the one that lets you book clients across three mainland time zones, take payment in a way your accountant is happy with, and keep clients moving between sessions without juggling five logins. That is the real deciding question behind any search for the best coaching software australia: do you need a booking tool with extras, or one place that runs the whole client journey from first enquiry to the last week of a program?

For most Australian coaches who sell packages or programs, our pick is Coachful. It puts booking, payments, agreements, programs with habits and check-ins, courses, a community, a website and email in one login, with one branded app for your clients. We make Coachful, so weigh that as you read. The other nine tools below are ranked on the same criteria, with prices as each vendor lists them in October 2026 and a plain note on when you should pick them instead.

Most prices in this market are listed in US dollars, so the figures below are USD unless stated. Card charges to your clients are set in your payment provider, not by the software price.

What do Australian coaches actually need from coaching software?

Australian coaches need software that handles time zones, client payments, simple agreements and between-session follow-up, with enough privacy care for the kind of coaching they do. The workflows differ by niche, but the same five pressure points come up again and again.

Time zones that change twice a year. A coach in Brisbane works on AEST all year, while clients in Sydney and Melbourne move to daylight saving in October and Perth clients sit two or three hours behind. Add New Zealand, Singapore or UK clients and manual scheduling falls apart. Booking pages need to detect each client's time zone and sync both ways with your calendar so you never double book.

Payments and GST. Most coaches start below the GST threshold. According to business.gov.au, you must register for GST when your business has a GST turnover of $75,000 or more, or when you expect a new business to reach that in its first year (business.gov.au, Register for GST). Your software should produce a clear invoice for every transaction and let you set tax correctly once you cross that line. How GST applies to clients overseas varies, so check with an accountant before you set prices.

Privacy obligations that depend on what you coach. The Office of the Australian Information Commissioner says most small businesses with an annual turnover of $3 million or less are not covered by the Privacy Act 1988, but any business that is a health service provider is covered regardless of turnover, and health services include services relating to physical, emotional, psychological and mental health (OAIC, Small business). Wellness, mindset and health coaches should read that page and get advice on whether it applies to them.

Scope. Coaching is not treatment. If you coach on health, stress or wellbeing, state in your agreement that you do not diagnose or treat, and refer clients to a GP, psychologist or other registered practitioner when concerns go beyond coaching. None of the coaching platforms here are built for Medicare billing or clinical records, and you should not use them that way.

The client journey. A typical package runs: enquiry or discovery call, a signed agreement, payment, an intake form, then weekly or fortnightly sessions with tasks in between. The question is how many tools that journey touches. Coaches who started with a scheduler, a payment link, a PDF contract, a course tool and a Facebook group often end up paying for each one and re-entering the same client five times. Our guide to starting a coaching business in Australia covers ABN, structure and insurance basics if you are earlier on.

How did we choose and rank these tools?

We ranked each tool against one concrete scenario: a coach based in Australia with 15 private clients and one eight-week group program, some clients in other states and a few overseas. That coach needs booking, payment, an agreement, intake, a place to deliver weekly work, a group space and a basic website.

For each tool we read what the vendor documents on its own pricing and feature pages, the plan limits it lists, and public reviewer ratings where they exist (Trustpilot figures as seen on 25 October 2026). We did not run hands-on tests, and we have not invented ratings or customer stories. Where a vendor's page is unclear or conflicts with itself, we say so.

Tools that only cover one part of the journey, like schedulers, were not ruled out. They rank lower because the scenario coach would need two or three other products alongside them, and that adds cost and logins.

1. Coachful: the best coaching software for Australian coaches overall

Coachful is a coaching platform where one subscription covers booking, payments, coaching agreements, programs with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. You get one login as the coach; your clients get one app with your branding. It is built for coaches who deliver programs rather than only sessions, solo coaches growing into a small team, and coaches replacing four to six separate tools. The company is based in Tallinn, Estonia, and lists a Trustpilot score of 4.5 from 21 reviews.

Booking across Australian time zones. Booking pages have availability rules, buffers, minimum notice and time-zone detection, so a client in Perth sees your Brisbane slots in their own time. Calendars sync both ways with Google, Apple/iCloud and Outlook. Each session gets built-in video or an automatically created Zoom, Google Meet or Teams link. Email reminders are standard, and once messaging is enabled you can add an SMS reminder 24 hours out and a WhatsApp reminder one hour before. You can sell paid sessions and session credits, ask intake questions at booking, and, on team plans, assign multi-coach session types round robin or to the least busy coach. More detail sits on the scheduling software page.

Payments through your own account. Payments run through your own Stripe Connect or Razorpay account. You can sell one-time packages, subscriptions and payment plans, add order bumps and coupons, issue refunds, and accept Apple Pay and Google Pay. Stripe Tax is supported, which matters once you register for GST, though your accountant should confirm your settings. Every transaction gets an invoice, and you can raise manual invoices too. Since August 2026 Coachful charges a 0% platform fee on client payments, so you pay only Stripe or Razorpay processing. See coaching payment software for the payment options in full.

Agreements before the first call. You send a coaching agreement with e-signature before the first session, and the signed copy is stored on the client record. That is the right place for your scope statement and referral clause. The coaching contracts page shows how it works.

What happens between sessions. This is where Coachful differs most from the schedulers and admin tools lower in this list. You can build multi-week programs with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. The client record pulls together goals, check-ins, habits, notes, intake answers, tags, payments and sessions, and marks each client as thriving, active, quiet or at risk, so you can see who needs a nudge before Monday's calls.

Client habit tracker cards for meditation, exercise, journaling and reading with progress counts

Here is a short walkthrough of how programs are built:

Groups, courses and content. Courses support modules, lessons, drip release and completion tracking, alongside downloads, videos, books, AI tools, events and bundles. The community has a feed, group chat, direct messages and video events, and when a client enrols in a program Coachful creates the cohort group automatically. Group calls and webinars run inside the same account. The group coaching software page goes further.

Website, funnels and email. The section-based website builder includes a blog, a custom domain, SEO settings, 30 designed homepage templates and an Import website option. Funnels cover booking, applications, lead magnets and checkout, with pixels and UTM tracking. Email lists, broadcasts and multi-step sequences support triggers, delays, branching and A/B splits.

Michelle, the AI assistant. Michelle works from your live practice data. It can build programs, draft emails and content, summarise recorded sessions, brief you before a session and, if you choose, give private feedback on your coaching against ICF Core Competencies 3 to 8. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. For ICF credential holders, hour tracking counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log.

What your client sees. Clients open one branded home and app. They see their next session, the program week they are in, tasks due before the call, habits, check-ins, course lessons and the group. The app runs under the Coachful listing with your branding, not under your own App Store account.

Why Coachful stands out: a free white-glove service. On every plan, you can go to Create and choose "We'll build it for you · FREE", describe what you want, attach up to 8 reference links and up to 10 files such as your logo, photos and existing copy, and the Coachful team builds it inside your own account, usually within about 24 hours. That can be a website, funnel, sales page, program, course outline and written material, email sequence, form, lead quiz, event or automation. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. One recent example: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Another, a menopause and midlife health coach starting from nothing, got a five-page site in sage and cream where every button led to a free 20-minute consultation. It does not cover recording videos, logo design, ad management or ongoing marketing. Read more in how the free white-glove service works.

Coachful Create page with the We will build it for you card
The Create page in Coachful, where the build-it-for-you card starts a white-glove request.

What Coachful does not do. It is not HIPAA-certified and is not built for clinical record-keeping or insurance billing, which in Australia means it is not a tool for Medicare or health-fund claims. There is no PayPal and no permanent free plan. It does not sync with Garmin, Fitbit, Whoop or Oura, and Apple Health sync is not publicly available. It has no deal board for large sales teams and no Salesforce or HubSpot integration, and it is not a course marketplace or a general website builder for non-coaching sites.

Price. Plans are flat monthly; lower plans cap the number of clients, Pro is unlimited, team plans add coach seats, and monthly plans cancel in one click. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. To start, take a free trial and request a white-glove build of your site or first program.

2. Kajabi: strongest for course and community sellers

Kajabi homepage as it appeared in October 2026, showing its headline and main sign-up button
Kajabi's homepage in October 2026.

Kajabi suits Australian coaches whose business is mainly courses, memberships and a community rather than private clients. It combines courses, a community, a website, funnels and email for selling knowledge products.

As listed in October 2026, Basic is $179/mo ($143/mo billed annually) with 5 products, 2,500 contacts, one community, one website, two admin users and no AI credits. Growth is $249/mo ($199/mo annually) with 50 products and 25,000 contacts, and Pro is $499/mo ($399/mo annually). The standard trial is 14 days according to its help centre.

Fees deserve a look. Kajabi lists Kajabi Payments rates for the US of 2.9% + $0.30 on Basic down to 2.7% + $0.30 on Pro. If you use a processor other than Kajabi Payments or PayPal, Kajabi adds its own fee of 2% on Basic, 1% on Growth or 0.5% on Pro. Australian coaches should confirm what applies to an Australian account before choosing.

The gap for coaches is per-client delivery: Kajabi has no habit tracking or daily client check-ins, and coaching is structured as products and communities rather than individual plans. Public reviewers on Trustpilot give it 3.4 from 2,347 reviews (October 2026).

Pick it over Coachful if you sell mostly self-paced courses to a large audience and private coaching is a small side line.

3. HoneyBook: a service-business CRM for proposals and invoices

HoneyBook homepage as it appeared in October 2026, showing its headline and main sign-up button
HoneyBook's homepage in October 2026.

HoneyBook is a client-management CRM for service businesses, with proposals, contracts, invoices, a scheduler and a client portal. Coaches who also run consulting or creative services sometimes use it because it handles the paperwork side well.

Listed prices in October 2026: Starter $29/mo billed annually (monthly not shown) with unlimited clients and two live lead forms; Essentials $59/mo ($49 annually) for up to two team members; Premium $129/mo ($109 annually) with unlimited team members. The pricing page FAQ lists a 30-day free trial with no card.

Two limits matter. The scheduler and automations start on Essentials, not Starter. Payments must run through HoneyBook's own processing, and the page quotes two different card rates (2.7% + 10¢ in the FAQ, 2.9% + 25¢ in the plan comparison). HoneyBook also has no coaching delivery: no programs, courses, habits, check-ins or community. It rates 4.1 on Trustpilot from 748 reviews.

Pick it over Coachful if your work is project-based consulting with proposals and milestones, and you do not deliver programs between sessions.

4. Systeme.io: the cheapest marketing suite to start with

Systeme.io homepage as it appeared in October 2026, showing its headline and main sign-up button
Systeme.io's homepage in October 2026.

Systeme.io is a low-cost marketing suite with funnels, email, courses, a community, a blog and an affiliate program. For a new Australian coach testing an offer on a tight budget, it is hard to beat on price.

The Free plan never expires and includes 2,000 contacts, three funnels, one course and one automation rule. Startup is $17/mo, Webinar $47/mo and Unlimited $97/mo, as listed in October 2026. Systeme.io charges 0% transaction fees on every plan, so you pay only Stripe or PayPal processing. Trustpilot shows 4.9 from 8,696 reviews.

Where it falls short for coaching: there is no native 1:1 scheduling tied to client records, no habits and no check-ins, so you would add a separate scheduler. Community and course features are basic, and there is no branded mobile app.

Pick it over Coachful if you are still validating an offer, mostly need a lead magnet and email list, and are happy to bolt on a separate booking tool.

5. Practice Better: practice management for nutrition and wellness

Practice Better homepage as it appeared in October 2026, showing its headline and main sign-up button
Practice Better's homepage in October 2026.

Practice Better is practice management software for wellness and nutrition practitioners, with scheduling, telehealth, charting, billing, programs and a client portal. Australian nutrition coaches and naturopaths who need charting-style notes often shortlist it.

As listed in October 2026: Sprout $0 for three clients; Starter $35/mo ($25 annually) for 10 clients; Professional $69/mo ($59 annually) for 300 clients; Plus $99/mo ($89 annually) for unlimited clients; Team $155/mo for two practitioners. Trials are 14 days on most paid plans and 30 days on Team. Payments run through Practice Better Payments, powered by Stripe, with rates not listed. Trustpilot shows 3.8 from 87 reviews.

Watch the plan gates: evergreen programs, portal branding, a custom URL and SMS start on Plus. There is no website builder or funnel pages, and accounts below Team are for one practitioner. If your work involves health information, read the OAIC guidance above and get advice on your obligations.

Pick it over Coachful if you work as a practitioner who needs charting and telehealth more than a website, funnels or a community.

6. CoachAccountable: a deep 1:1 back office, priced per client

CoachAccountable homepage as it appeared in October 2026, showing its headline and main sign-up button
CoachAccountable's homepage in October 2026.

CoachAccountable is a long-standing coaching back office covering sessions, action plans, metrics, worksheets, courses, invoicing and agreements. Coaches who love detailed accountability tracking for each client tend to rate it highly: Trustpilot lists 4.8 from 47 reviews.

The catch is pricing by active client. As listed in October 2026: Starter $20/mo for 2 active clients, Level 1 $40/mo for 5, Level 2 $70/mo for 10, Level 3 $120/mo for 20, Level 4 $250/mo for 50 and Level 5 $400/mo for 100. A group program with 30 participants pushes you up the ladder quickly. The trial is 30 days, no card.

There is no native mobile app, and no landing pages, website or marketing automation, so you would still need a site and email tool. By its own statement it is not HIPAA compliant. Our CoachAccountable alternatives page compares options.

Pick it over Coachful if you coach a small number of high-fee 1:1 clients and want the most granular action-plan and metrics tracking, with your marketing handled elsewhere.

7. Paperbell: simple admin at one flat price

Paperbell homepage as it appeared in October 2026, showing its headline and main sign-up button
Paperbell's homepage in October 2026.

Paperbell is all-in-one admin for solo coaches: booking, packages, payments, contracts, a client portal and a simple website. It appeals to coaches who want the admin done and nothing more.

One plan covers everything: $97/mo, or $80.83/mo billed annually, with unlimited clients, sessions, files and packages, as listed in October 2026. There is a "Try For Free" button and a 30-day money-back guarantee; its help centre describes a seven-day trial with the public site offline and client messages off. Paperbell adds no transaction fees beyond Stripe or PayPal processing. Trustpilot shows 3.5 from 14 reviews.

Limits for program coaches: no courses or LMS, no community, and no goal or habit tracking, and clients use it in a mobile browser rather than an app. See our Paperbell alternatives for more.

Pick it over Coachful if you sell straightforward session packages, want PayPal, and do not plan to run groups or courses.

8. Quenza: worksheets and activities between sessions

Quenza homepage as it appeared in October 2026, showing its headline and main sign-up button
Quenza's homepage in October 2026.

Quenza is a client-engagement tool for coaches and therapists built around activities, worksheets, programs, chat and a client app. It is good at the between-session exercises that many coaches send as PDFs.

Prices listed in October 2026: Spark $25/mo ($20 annually) for 10 clients; Growth $50/mo ($40 annually) for 250 clients; Impact $125/mo for 400; Collective $160/mo for up to three professionals. The trial is 30 days with no card. Trustpilot shows 4.3 from 8 reviews.

The gaps are big ones for a business: Quenza takes no client payments today (invoicing and digital products are marked as planned), and it has no scheduling or video calls. You would pair it with a scheduler and a payment tool.

Pick it over Coachful if you already have booking and payments sorted and only want a library of structured exercises for clients.

9. Acuity Scheduling: booking with intake forms

Acuity Scheduling homepage as it appeared in October 2026, showing its headline and main sign-up button
Acuity Scheduling's homepage in October 2026.

Acuity Scheduling, owned by Squarespace, handles appointment booking with intake forms, packages and memberships. It is a solid choice when booking is the only thing you need fixed.

As listed in October 2026: Starter $20/mo ($16 annually) with one calendar; Standard $34/mo ($27 annually) with up to six calendars; Premium $69/mo ($55 annually) with up to 36. Every plan has a seven-day trial without a card. Acuity adds no fee of its own; your Stripe, Square, PayPal or Venmo rates apply. Text reminders start on Standard. Trustpilot shows 3.6 from 687 reviews.

It has no client portal for programs, habits, check-ins or messaging, and no courses, community, website builder or email marketing.

Pick it over Coachful if you already run your site on Squarespace, coach one session at a time, and want detailed intake forms at booking.

10. Calendly: free booking links

Calendly homepage as it appeared in October 2026, showing its headline and main sign-up button
Calendly's homepage in October 2026.

Calendly is a scheduling tool with booking pages, reminders and paid bookings. Many Australian coaches start here because the Free plan works for a single discovery call link.

As listed in October 2026, Free covers one event type and one calendar connection. Standard is $10 per seat per month billed annually (monthly price not shown), and Teams is $16 per seat billed annually. The pricing page did not show a trial answer when checked. Calendly adds no fee to payments; you connect your own Stripe or PayPal. Trustpilot shows 4.1 from 714 reviews.

Calendly stops at the booking: there are no client records, notes, programs, habits, check-ins, contracts or invoicing.

Pick it over Coachful if all you need right now is a single discovery-call link at no cost, and you have not yet signed paying clients.

Which features does each tool include?

Only Coachful covers every column below in one account; the next most complete tools trade off either client delivery or marketing. "Partial" means the feature exists with clear limits; "no" means the vendor does not document it in the sources we used.

What does each tool cost at 5, 15 and 40 clients?

At 15 clients the cheapest tools are schedulers, but they cover only booking; once you add a website, email and a program space, a single platform usually costs less in total. The table shows each vendor's lowest listed monthly plan that fits the client count, before payment processing, as listed in October 2026.

An illustrative stack for the 15-client scenario built from single-purpose tools might be Acuity Scheduling ($20), Quenza ($50) and Systeme.io Startup ($17): $87 a month in list prices across three logins, before adding a community or agreements. That is an example, not a recommendation, but it shows why the per-tool price alone can mislead.

How would an Australian coach set this up in Coachful, step by step?

Here is a worked example for a Brisbane-based wellbeing coach with 15 private clients across Queensland, New South Wales, Western Australia and New Zealand, plus an eight-week group program. The numbers are an example.

A laptop showing a library of client journey templates on a coastal home-office desk
Coachful's coaching flows library with journey templates, on a laptop in a coastal home office.
  1. Request the build. From Create, choose the white-glove option and ask for a four-page site, a booking funnel for a free discovery call and the eight-week program outline. Attach your logo, photos and existing bio. The team builds it in your account, and gaps such as testimonials are left for you.
  2. Connect Stripe. Link your own Stripe account through Stripe Connect. If you are registered for GST, turn on Stripe Tax and have your accountant check the settings.
  3. Set availability in your home time zone. Add buffers between calls and a minimum notice of, say, 24 hours. Connect your Google, Apple or Outlook calendar both ways. Clients in Perth and Auckland will see slots in their own time, and the daylight saving shift in October is handled for them.
  4. Write your agreement. Include your scope statement ("coaching is not therapy or medical treatment"), a referral clause, cancellation terms and how you store client information. Set it to send for e-signature before the first call.
  5. Add intake questions to the booking page. Ask about goals, availability and anything that would make coaching the wrong fit, so you can refer early.
  6. Build the program. Set weekly goals, a few daily tasks and two or three habits, plus a morning and an evening check-in. Michelle can draft the first version of the program, which you then edit.
  7. Turn on reminders. Email reminders run by default; enable messaging to add SMS 24 hours before and WhatsApp one hour before.
  8. Launch the group. When clients enrol in the eight-week program, the cohort group is created automatically, and you schedule group calls inside the same account.

What the client experiences. A client in Perth finds your site, books a discovery call in their own time zone and answers three intake questions. After the call they receive a link to sign the agreement, pay by card or Apple Pay, and get an invoice. They open your branded app and see week one, today's two tasks, a morning check-in and a link to the group. The night before each call they get a reminder, and you open their record to a short AI briefing on how their week went. At no point do they need a second login.

For more on the client side, see client accountability software and coaching program software.

What mistakes should Australian coaches avoid when choosing software?

The most expensive mistake is choosing on headline price without counting the other tools you will need. Others are just as common.

  • Ignoring the currency. Most coaching software is billed in US dollars, so your monthly cost moves with the exchange rate. Budget with some margin.
  • Forgetting GST timing. Track your turnover and register once you reach or expect $75,000. Pick software that issues an invoice for every payment so your records are clean from day one.
  • Treating coaching notes like clinical records. If your work touches mental or physical health, read the OAIC guidance, keep notes factual, and refer out when something is beyond coaching scope.
  • Booking by email across time zones. One missed daylight saving change can cost a client. Use booking pages with time-zone detection.
  • Paying per client for group programs. Per-active-client pricing can triple your bill when a cohort starts. Check what counts as a client.
  • Skipping the agreement. Send it before the first session, not after the third.
  • Building everything yourself. If a platform offers to build your site or first program, use it and spend that week finding clients.

What is our verdict on the best coaching software in Australia?

For Australian coaches who sell packages or programs, Coachful is the best choice because it covers the whole journey in one login: booking that handles every time zone, payments through your own Stripe account with no platform fee, signed agreements, programs with habits and check-ins, groups, courses, a website and email. The free white-glove build removes most of the setup effort. Kajabi is the stronger fit for course-first businesses, HoneyBook for project-based consulting, and Systeme.io for coaches testing an offer at the lowest cost. If you only need a booking link this month, Calendly's Free plan will do until you sign paying clients.

Frequently asked questions

What is the best coaching software in Australia?

For most coaches who sell packages or programs, Coachful is our top pick because booking, payments, agreements, programs, groups, a website and email sit in one login with a branded client app. Kajabi suits course-first businesses, and Calendly or Acuity Scheduling suit coaches who only need booking.

Does Coachful offer a free white-glove setup?

Yes. On every plan, the Coachful team will build a website, funnel, program, course outline, email sequence or similar inside your account, usually within about 24 hours. You describe what you want and attach up to 8 links and 10 files; nothing is invented, and gaps are left for you.

Do I need to charge GST on coaching?

According to business.gov.au, you must register for GST once your GST turnover reaches $75,000, or if you expect a new business to reach it in its first year. Below that, registration is optional. Rules for overseas clients vary, so check with an accountant.

Does the Privacy Act apply to coaches?

The OAIC says most small businesses with turnover of $3 million or less are not covered, but health service providers are covered regardless of turnover, and that includes services relating to emotional, psychological and mental health. If you coach in wellness or mental health areas, read the OAIC guidance and get advice.

Can I take payments in Australian dollars?

Coachful and most tools here connect to your own payment account, such as Stripe, and the currency you charge is set there. Check your Stripe settings and the vendor's documentation for currency options before you publish prices.

Can coaching software handle clients in Perth, Sydney and New Zealand at once?

Yes, if it has time-zone detection on booking pages. Coachful detects each client's time zone, so slots appear in their own local time, which also covers daylight saving differences between states. For other tools, check their booking documentation before you rely on it.

Can I use Coachful for Medicare or health-fund billing?

No. Coachful is not built for clinical record-keeping or insurance billing. It is coaching software, and coaching is not treatment.

Is there a free coaching platform for new Australian coaches?

Systeme.io, Practice Better and Calendly all have free plans with limits, such as Practice Better's three clients or Calendly's one event type. Coachful offers a free trial rather than a permanent free plan.

Which tool is best for group coaching programs?

Coachful creates a cohort group automatically when clients enrol in a program and runs group calls in the same account. Kajabi is strong for large communities and courses but lacks per-client check-ins. Watch per-client pricing, such as CoachAccountable's, for large groups.

How long does it take to set up coaching software?

A scheduler takes an afternoon. A full platform takes longer because you are moving your site, offers and programs, which is why Coachful imports clients, programs and content during onboarding and offers the white-glove build.
