Best CRM for Dating Coaches in 2026 (10 Compared)

Best CRM for Dating Coaches in 2026 (10 Compared)

The best CRM for dating coaches is the one that remembers what happened after Friday's date. A sales CRM tracks whether a lead bought. A dating coach also needs to know what the client tried this week, how the second date went, which profile photos you flagged, whether the intake form mentioned a recent divorce, and whether the payment plan cleared. So the deciding question is simple: can one system hold the lead, the package, the session notes and the between-date check-ins, and show the client their side of it?

Our pick is Coachful. It keeps prospects, intake calls, coaching agreements, payments, sessions, notes, goals, habits and check-ins on one client record, and gives each client a branded app where they see their next session, their notes and their weekly actions. We make Coachful, so weigh that, but the ranking below is built on criteria any dating coach can check, and every other tool gets an honest "pick it over Coachful if" line.

This guide is organised around how a dating coaching practice actually runs: attracting singles who follow your content, enrolling them through an audit or discovery call, delivering the work between dates, and keeping them after the package ends. For the wider category, see our general guide to the best CRM for coaches; for every tool type a dating practice uses, see the best software for dating coaches.

What does a dating coach's client journey look like, stage by stage?

It runs in four stages: attract, enroll, deliver and retain. Each one asks something different of a CRM, and most tools on this list are strong in one or two stages and absent from the rest.

Attract: content, lead magnets and DMs

Most dating coaches find clients through Instagram, YouTube, podcasts and short video, then capture them with something specific: a dating-profile checklist, a "first message" guide, a quiz about attachment patterns, or a short masterclass. The CRM needs a form or funnel that captures the email, tags where it came from, and starts a follow-up sequence. If you run a waitlist for a group cohort, it also needs to show who opened which email before you open enrollment.

Enroll: the audit call and the package

The conversion moment is usually a 20 to 45 minute call. A good setup asks screening questions on the booking form (relationship goals, how long they have been single, what they have tried, anything you should know before the call), reminds the prospect so they turn up, and lets you send an agreement and a payment link the same day. Dating packages often run as three or six months of calls plus messaging support, so payment plans matter more here than in many niches.

Deliver: the work happens between sessions

This is where dating coaching differs from most coaching. The client's progress happens on the apps and on dates, not on your calls. You need somewhere for the client to log a debrief after a date, tick off weekly actions (update three photos, start five conversations, plan one low-pressure date), and see your notes from the last call. You also need privacy: clients share personal details and sometimes screenshots of conversations, so the record should sit behind a login, not in a shared spreadsheet.

Retain: renewals, alumni and referrals

Clients who meet someone often leave, which is a success, but many want a maintenance package for the early months of a relationship. Others join an alumni group or refer a friend. The CRM should flag who is going quiet, who is near the end of a package, and who finished well enough to ask for a referral.

One scope note belongs in every dating coach's intake flow. Coaching is not therapy. If a client discloses abuse, trauma, an eating disorder, self-harm, severe anxiety or depression, or a pattern that needs clinical care, refer them to a licensed mental health professional, and say so in your agreement. The ICF Code of Ethics also sets expectations on confidentiality and on being clear about what coaching is. Our guide to becoming a dating coach covers ethics in more depth.

Which CRM covers which stage of the dating coaching journey?

Coachful covers all four stages in one login; most others cover enrollment well and leave delivery to other tools.

Ranking criteria: one login for the whole client journey, between-session delivery (check-ins, habits, goals the client sees), total stack cost at a realistic client count, and setup effort, including whether someone will build it for you.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

How did we choose and rank these ten tools?

We ranked on fit for a working dating practice, not on how many features a vendor lists. Prices and plan limits come from each vendor's pricing page as listed in October 2026; where a detail comes from an older vendor profile, we label it September 2026. We have not run these tools with real clients. Where we mention ratings, they are what public reviewers report on Trustpilot.

Four questions decided the order:

  • Can the client see their side? A dating client who can open an app and see this week's actions does the actions. A CRM that only the coach sees cannot deliver between dates.
  • Does it hold the whole record? Lead source, intake answers, agreement, payments, sessions, notes and progress in one place, so you can prepare for a call in two minutes.
  • What does the full stack cost? A cheap CRM plus a course tool, a community tool, an email tool and a scheduler can cost more than one platform.
  • How long until it works? Setup time is a real cost for a solo coach who would rather be making content.

We left out general project tools and therapy practice systems. Sales-pipeline CRMs (HubSpot, Keap) are included because many dating coaches start there, and they sit low because they are built for sales teams.

1. Coachful: one record from first DM to alumni group

Coachful's prospects list on a laptop on a window seat at night
Coachful's Prospects screen, with demo leads and their stages, on a laptop beside a notebook and a glass of sparkling water.

Coachful is a coaching platform where the CRM is the centre rather than an add-on. One subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The coach has one login; the client gets one app with the coach's branding inside the Coachful app. It is built for coaches who deliver programs rather than one-off calls, which describes most dating packages.

Attract and enroll: leads that do not slip

Leads from your lead magnet or booking funnel land on the Prospects page, with All Leads and Board views, each lead's source form and a stage. When a prospect books an audit call, the Intakes page tracks upcoming calls, conversions and your conversion rate, so you can see whether your Instagram traffic or your podcast traffic books calls that turn into clients. Booking pages handle availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook sync, built-in video or auto-created Zoom, Meet or Teams links, and intake questions on the booking form. Email reminders go out by default, plus SMS (24 hours before) and WhatsApp (1 hour before) once messaging is enabled.

The Intakes page tracks demo intake calls: 10 total, 3 upcoming, 2 converted, a 40% conversion rate.

After the call, you send a coaching agreement with e-signature before the first session; it is stored on the client record. Payments run through your own Stripe Connect or Razorpay account: one-time, subscriptions, payment plans, coupons, order bumps, refunds, Apple Pay and Google Pay. Coachful takes a 0% platform fee (since August 2026), so you pay only Stripe or Razorpay processing. There is no PayPal.

Deliver: where dating progress actually happens

A program in Coachful runs week by week with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. For a dating client, that might be a six-week "profile to first date" program: week one is photos and bio, week two is openers, week three is moving from chat to a date, and an evening check-in after each date asks how it went and what they noticed. The client record pulls together goals, check-ins, habits, notes, intake answers, tags, payments and sessions, and labels each client thriving, active, quiet or at risk.

Here is a short walkthrough of the client records and how they come together.

The client sees their next session, programs, progress and documents, plus the notes you share. That shared notes view is useful in dating work: the client rereads "lead with a question about something in their photos" before they open the app, not three days later.

What a client sees: the My Coaching dashboard with the coach's shared session notes, in demo data.

Michelle, the built-in AI assistant, works from your live practice data: it briefs you before a session, summarizes recorded sessions, drafts emails and builds programs. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. You can also set up an AI Coach, an AI version of you that selected clients can chat with between sessions, which suits the 10 p.m. "they just texted me back, what do I say" moment if you configure it carefully.

Retain: groups, alumni and the next package

Enrolling a client into a program can create a cohort group automatically, and the community has a feed, group chat, direct messages and video events, so a group dating program or an alumni circle lives next to the client records. Email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits handle the "how is the new relationship going" follow-up. The social planner schedules posts to Instagram, Facebook, LinkedIn, X, Threads and YouTube from one calendar. If you hold an ICF credential, Coachful counts coaching hours and clients against ACC, PCC and MCC thresholds.

What Coachful does not do

It is not HIPAA-certified and has no BAA, so it is not the place for clinical records if you are also a licensed therapist. There is no PayPal and no permanent free plan. The client app ships under the Coachful listing with your branding, not under your own App Store account. There is no multi-stage sales deal board for large sales teams, no Salesforce or HubSpot integration, and no routing forms that pick a host from form answers. It is GDPR-ready and exports all client data as a ZIP.

Why Coachful stands out: a free white-glove service. On every plan, you can go to Create, then "We'll build it for you · FREE", describe what you want (a website, a lead-magnet funnel, a program, an email sequence, a lead quiz), attach up to 8 reference links and up to 10 files, and the Coachful team builds it inside your account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. A leadership coach facing a Squarespace renewal got one clean homepage with a repeated "talk with me" button; a somatic coach leaving Kajabi had the homepage and About page rebuilt and the contact form connected. Recording videos, logo design and ad management are not included. Read how the white-glove service works.

Price: flat monthly plans; lower plans cap the number of clients and Pro is unlimited (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Monthly plans cancel in one click, and there is a free trial. Coachful holds a 4.5 rating from 21 reviews on Trustpilot. See the Coachful page for dating coaches or the coaching CRM overview.

2. HoneyBook: polished paperwork for packaged offers

HoneyBook's public homepage as captured in October 2026
HoneyBook's homepage in October 2026.

HoneyBook is a client-management CRM for service businesses, and it shows in how it handles the enrollment stage. A dating coach can send a branded proposal after an audit call that bundles the package description, the contract and the first invoice into one flow the prospect clicks through. That is a tidy experience for higher-ticket offers, such as a three-month VIP package with profile rewrite and date preparation.

For attraction, HoneyBook gives you lead forms you can embed on a site or link from your Instagram bio, and it captures enquiries into a pipeline. Its client portal holds files, invoices and signed documents. That is where it stops for a dating practice. HoneyBook has no programs, courses, habits, check-ins or community, so the work between dates needs another tool, and your client has two logins.

Pricing, as listed in October 2026: Starter is $29/month billed annually (the monthly price was not shown), with unlimited clients and 2 live lead forms. Essentials is $59/month or $49/month billed annually, with up to 2 team members and 10 lead forms. Premium is $129/month or $109/month billed annually, with unlimited team members and lead forms. There is a 30-day trial with no card required.

Two limits matter. The scheduler and automations are not on Starter, so a dating coach who books audit calls needs Essentials. And payments must run through HoneyBook's own processing; the page lists a card rate of 2.7% + 10¢ in its FAQ but 2.9% + 25¢ in the plan comparison, so check the rate before you sign. ACH is 1.5%. HoneyBook raised prices in February 2025, from $19/$39/$79 to higher monthly tiers. Public reviewers on Trustpilot give it 4.1 from 748 reviews.

In practice, a HoneyBook dating practice tends to look like this: HoneyBook for enquiries, proposals and invoices, a separate course or community tool for the program, and email in yet another place. That works if you sell mostly one-to-one sessions and send homework by email.

Pick it over Coachful if you sell high-ticket one-to-one packages, care most about a polished proposal-to-payment flow, deliver nothing between sessions beyond email, and are happy to pay through HoneyBook's own processor.

3. Dubsado: the workflow builder for intake-heavy coaches

Dubsado's public homepage as captured in October 2026
Dubsado's homepage in October 2026.

Dubsado suits coaches who like to automate the path from enquiry to first session in detail. You can build an intake questionnaire that asks about relationship history and goals, attach a contract and invoice, and set workflows that send the welcome packet when the payment clears and a reminder before the first call. For a dating coach who wants every new client to complete a long pre-coaching form before you meet, that structure is genuinely useful.

Dubsado is clear about its limits. It says it does not include website building and is not an email marketing platform, so your lead magnet, landing page and nurture sequence live elsewhere. It has no courses, client community, habits or check-ins. The mobile app is a companion; full functionality needs the desktop web app. A client logging a date debrief from their phone at midnight would be filling in a form, not using a coaching app.

Pricing, as listed in October 2026: Starter is $35/month or $27.92/month billed annually, with unlimited clients and projects and 1 active lead-capture form. Premier is $55/month or $43.75/month billed annually, with unlimited lead forms. The Starter plan has no scheduler or automations, so most coaches will need Premier. The 21-day trial gives full Premier access with no card required. Dubsado states no platform fee on payments; processor rates apply, and you can optionally pass card costs to the client by surcharging.

Dubsado works best as the admin back office in an assembled stack: it handles paperwork and scheduling well, and you add a separate email tool and a delivery tool. Count the cost and logins of those additions before you compare it on price alone. Our client portal guide for dating coaches covers what the client side needs.

Setup is the other cost. Dubsado's workflows are powerful because they are detailed, and building forms, contract templates and workflow triggers takes an afternoon or more for a first-timer. Coaches who enjoy systems tend to like it; coaches who would rather be filming content tend to postpone it.

Pick it over Coachful if you want granular control over intake forms and admin workflows, already have a website and email tool you like, and deliver coaching mainly in live calls rather than between them.

4. GoHighLevel: an agency marketing machine you can bend into coaching

GoHighLevel's public homepage as captured in October 2026
GoHighLevel's homepage in October 2026.

GoHighLevel (HighLevel) is an agency-first all-in-one marketing CRM: funnels, websites, calendars, SMS and email, invoicing, contracts, courses and communities, all organised around sub-accounts. For the attract stage it is strong. A dating coach running paid ads to a quiz funnel, with text-message follow-up to everyone who opts in, can build that in HighLevel without other tools.

The delivery stage is the weak spot. HighLevel has no habit tracking, client check-ins or structured coaching program and task engine; you would simulate them with workflows and forms. There are no built-in video rooms, only Zoom and Google Meet links. And because it is designed for agencies managing many client accounts, the interface has a lot more surface than a solo dating coach needs.

Pricing, as listed in October 2026: Starter is $97/month or $80.83/month billed annually, with 3 sub-accounts and unlimited users and contacts. Unlimited is $297/month or $247.50/month billed annually. Agency Pro is $497/month or $414.17/month billed annually. Enterprise is custom. There is a 14-day trial on any plan, with billing starting automatically at the end unless you cancel.

The real cost sits on top of the plan. SMS, email, phone numbers and AI usage are metered and billed separately, at rates published on separate pricing guides rather than the main pricing page. A dating coach who leans on text reminders and text nurture will see that line grow with the list. HIPAA is a $297/month add-on, not included on the standard plans. HighLevel shows no platform fee on sales; payment provider fees apply. Its Trustpilot score is 4.9 from 15,250 reviews, a large base that includes many agencies.

If you are running ads at scale, have a virtual assistant who knows HighLevel, or plan to sell the system to other coaches, it earns its place. If you are a solo dating coach with a few dozen clients, you would be paying for agency features and building coaching features yourself.

Pick it over Coachful if paid ads and text-message nurture are the core of your business, you have someone to build and maintain the workflows, and you are comfortable delivering the coaching through calls and simulated check-in forms.

5. Paperbell: one price for solo booking and packages

Paperbell's public homepage as captured in October 2026
Paperbell's homepage in October 2026.

Paperbell is the closest thing on this list to a coaching admin tool built for one person. You set up packages (say, a single profile review, a four-session starter package and a three-month program), and Paperbell handles booking, payment, the contract and a client portal in one checkout. For a dating coach who just wants prospects to buy and book without back-and-forth emails, it is quick to get running.

Its scope is deliberately narrow. Paperbell includes booking, packages, payments, contracts, a client portal and a simple website. According to its older vendor profile (September 2026), it has no courses or LMS, no community, no goal or habit tracking and no native mobile app, only the mobile browser. That means the between-date work, the alumni group and the dating course you want to sell later each need another tool. If you are weighing it, our Paperbell alternatives for dating coaches goes deeper.

Pricing, as listed in October 2026: one plan at $97/month or $80.83/month billed annually, with unlimited clients, sessions, files, packages and traffic. Paperbell states no additional transaction fees; Stripe or PayPal processor fees apply. The pricing page shows a "Try For Free" button without a trial length; the September 2026 profile describes a 7-day trial with the public site offline and client messages and SMS switched off. There is a 30-day money-back guarantee. Trustpilot shows 3.5 from 14 reviews.

The flat price is honest and predictable, and PayPal support matters if many of your clients prefer it. The trade-off is that one flat price buys admin only. A dating coach who later adds a group program or a course will be paying for a second and third platform on top.

Paperbell suits the early months of a practice, when most of your work is single sessions and short packages. It fits less well once you want clients doing structured work between calls, because there is nowhere in Paperbell for a weekly action list, a habit streak or a post-date check-in to live.

Pick it over Coachful if you sell only one-to-one sessions and packages, want to accept PayPal, and have no plans for programs, courses or a client community.

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

6. CoachAccountable: deep between-session tracking, priced per client

CoachAccountable's public homepage as captured in October 2026
CoachAccountable's homepage in October 2026.

CoachAccountable is a coaching back office with real delivery features, which puts it ahead of the admin-only tools for the deliver stage. You can assign action plans with due dates, track metrics over time, send worksheets, run courses, invoice and handle agreements. For a dating coach, a metric such as "conversations started this week" or "dates this month", charted over a package, makes progress visible to a client who feels stuck.

The attract stage is missing. According to its September 2026 profile, CoachAccountable has no landing pages, website or marketing automation, and no native mobile app. Your lead magnet, funnel and nurture emails sit in other tools, and your clients use the web portal on their phones. The interface is functional rather than polished, which some coaches mind and others do not.

Pricing, as listed in October 2026, scales with active clients: Starter $20/month for 2, Level 1 $40/month for 5, Level 2 $70/month for 10, Level 3 $120/month for 20, Level 4 $250/month for 50 and Level 5 $400/month for 100. There is a 30-day trial with no card and no limits. Transaction fees are not stated on the pricing page; processor fees apply (Stripe, Square or PayPal per the older profile). Trustpilot shows 4.8 from 47 reviews.

Per-client pricing is the catch for dating coaches who grow through group programs. A 30-person cohort for a "dating reset" program would put you at Level 4 for the length of the program, before you count your one-to-one clients. If you stay small and deep, it is reasonable value. More options are in our CoachAccountable alternatives roundup.

The client experience is where the decision usually lands. Clients log into a web portal to see their action items and enter metrics, which is workable but not as natural as an app on the home screen. For dating clients, who are already on their phones for the apps themselves, that small friction affects how often they report back.

Pick it over Coachful if you coach a small number of clients in depth, want detailed metric tracking and action plans, and handle marketing and your website in separate tools.

7. Satori: low entry cost while you are getting certified

Satori's public homepage as captured in October 2026
Satori's homepage in October 2026.

Satori is a coaching practice tool with scheduling, a client portal, packages and programs, invoices and contracts. It has one feature that new dating coaches should know about: a Scholar plan at $0 for people studying for a coaching certification, with unlimited pro bono clients, by application. If you are building practice hours before you charge, that is a useful starting point.

For paying clients, Satori counts only active clients toward billing and caps them by tier. According to its September 2026 profile, it has no native mobile app, no native Zoom integration, no landing pages, no courses and no community. A dating coach would add a website and email tool for attraction, and the client works from the web portal between sessions.

Pricing, as listed in October 2026: Essentials is $33/month or $27.50/month billed annually, for up to 10 active paying clients. Pro is $49/month or $40.83/month billed annually (50 active clients, 10 programs and 120 bookings per the September 2026 profile). Leader is $124/month or $103.33/month billed annually (150 active clients, 50 programs and unlimited bookings per that profile). The 15-day trial gives unrestricted access with no card during the trial, and Satori refunds on request within 30 days of signing up. It takes no fee on client payments; standard PayPal and Stripe fees apply.

The booking limits on lower tiers are worth checking against your calendar. A dating coach running weekly calls with 10 clients books about 40 sessions a month, which is within Essentials on that older profile figure but leaves little room for audit calls.

Satori is a sensible bridge for a coach still in training: start on Scholar with pro bono clients, move to Essentials with your first paying clients. The question is whether you want to migrate again when you add a group program or course, because Satori's own profile lists neither.

Pick it over Coachful if you are still in a certification program and want a no-cost tool for pro bono practice clients, or you only need scheduling, packages and contracts for under ten paying clients.

8. Bonsai: freelancer admin, borrowed by coaches

Bonsai's public homepage as captured in October 2026
Bonsai's homepage in October 2026.

Bonsai is business management software for freelancers and agencies: proposals, contracts, invoices, time tracking and projects. Some dating coaches arrive here from a previous freelance career and keep using it. It handles the paperwork part of enrollment cleanly, and its per-user pricing is low at the bottom.

It was not built for coaching. There are no courses, community, client habits, check-ins or coaching programs. Time tracking and project boards, which matter to a designer billing hours, matter little to a dating coach selling a three-month package. Custom domains are not yet released (Bonsai marks them as expected in 2026). Attraction and delivery both live in other tools.

Pricing, as listed in October 2026, is per user on every plan: Basic $15/month or $9/month billed annually; Essentials $25/month or $19/month billed annually; Premium $39/month or $29/month billed annually; Elite $59/month or $49/month billed annually, with a minimum of 3 users. The Basic plan has no invoicing or payments, so a coach who takes payment needs Essentials or above. There is a 7-day trial, and a card is not required to start. On fees, the pricing page links to the help center; the older profile lists Bonsai Payments at 2.9% + $0.30 for cards and a 1% platform fee when you use your own Stripe or PayPal where Bonsai Payments is available. We could not re-read that help article today, so confirm the current rate. Trustpilot shows 4.3 from 641 reviews.

For a dating coach, Bonsai answers one narrow need: get the contract signed and the invoice paid. Everything a client does between your calls would have to happen somewhere else, and the per-user model means adding an assistant raises the bill.

There is also no booking-led enrollment in the way a coaching tool handles it: no intake questions tied to a discovery call, no session credits, no package that counts down as sessions are used. You can make it work with a separate scheduler, but you are rebuilding a coaching workflow from freelancer parts.

Pick it over Coachful if you also run a freelance business that needs time tracking and project management, and your coaching is a small side offer handled with a contract and an invoice.

9. HubSpot: a free sales CRM that dating coaches outgrow sideways

HubSpot's public homepage as captured in October 2026
HubSpot's homepage in October 2026.

HubSpot is a general-purpose CRM and marketing and sales suite. Its free CRM covers contacts, companies, deals, tasks, email tracking and live chat for up to 2 users and 1,000 contacts, with no time limit and no card. Many dating coaches start here because it costs nothing and looks professional. For the attract stage it does a lot: forms, up to 30 landing pages, 2,000 email sends a month and one meetings link, all with HubSpot branding on the free tier.

The fit problem shows up after the sale. HubSpot is organised around contacts, deals and pipelines, which suits a sales team moving leads to a close. Nothing in its plans is built for what a dating client does between sessions: weekly actions, post-date check-ins, habit streaks or a program they move through. You can store notes on the contact, but the client cannot see them, and there is no client app for the work.

Pricing, as listed in October 2026: Free tools at $0. Starter (Customer Platform, Marketing Hub or Sales Hub) has a standard price of $20/seat/month, shown with a limited-time new-customer promotion of $10/month billed monthly or $7/month billed annually; it removes HubSpot branding on landing pages and raises meetings links to 1,000. Professional is $100/seat/month or $90/seat/month billed annually, with a required one-time onboarding fee. HubSpot Payments charges 2.9% on cards, with a HubSpot platform fee that is free for the first year and then 0.5% per transaction; using Stripe inside HubSpot adds a 0.75% platform fee on top of Stripe's rate. Trustpilot shows 1.5 from 1,176 reviews.

The sideways problem: as your practice grows, you do not need a bigger HubSpot plan, you need different tools. You add a scheduler for paid sessions, a course platform, a community and a client portal, while HubSpot keeps the contact list. That is the assembled stack we price below.

HubSpot is still a reasonable place to park a large email list from your content if you are not ready to commit to a platform. Just treat it as a marketing database, not as the place your coaching happens.

Pick it over Coachful if you run a dating coaching team with a dedicated sales person working a deal pipeline, or you need a native HubSpot or Salesforce connection for a partner company.

10. Keap: heavy automation at a heavy price

Keap's public homepage as captured in October 2026
Keap's homepage in October 2026.

Keap is a small-business CRM with email and text marketing automation and a library of prebuilt "proven automations". It has an appointment scheduler with calendar and email connection, and handles quotes, one-time and recurring invoices, checkout forms and subscriptions through Keap Pay (U.S.) or PayPal, Stripe or Eway. A dating coach with a large list and a defined launch calendar could automate a lot of nurture with it.

For delivery, there is nothing. Keap has no course hosting, membership area, client portal or client-facing app, and no coaching programs, habit tracking or check-ins. All of the between-date work goes elsewhere, and you are paying sales-automation prices for the part of the journey that needs it least.

Pricing, as listed in October 2026: one platform plan at $299/month or $249/month billed annually, which covers 1,500 contacts and 2 users. Extra users are $39/month each, and extra contacts are priced in tiers (for example, adding up to 1,000 contacts costs $36/month on monthly billing). A one-time implementation package of $500 is required, shown discounted from $1,500. The annual contract has a $299 early termination fee. The 14-day trial needs no card, but is capped at 25 emails and cannot process payments or send texts, so you cannot test the full flow. Keap charges no fee of its own on payments. Trustpilot shows 1.1 from 498 reviews.

At this price, Keap only makes sense for a dating coaching business with a big list, a sales process run by more than one person, and a separate delivery platform already in place. For most solo dating coaches, the first-year cost (plan plus implementation) is several times what an all-in-one platform costs.

If automation is what draws you to Keap, note that the email sequences most dating coaches need (lead magnet welcome, audit-call reminders, post-package check-in) are a handful of steps each, which coaching platforms handle without a contact-tiered price.

Pick it over Coachful if you have a large list, a sales team, a budget for implementation and a separate delivery platform, and you mainly need advanced email and text automation.

What does a dating coach's CRM stack cost: all-in-one or assembled?

An all-in-one platform usually costs less than an assembled stack once you count every tool a dating practice needs. Here are the common recipes, using list prices from October 2026.

Stack recipeWhat it coversMonthly cost (list)Logins for the client
Coachful aloneWebsite, funnels, email, booking, agreements, payments, programs, check-ins, community, client appSolo: $49/month for up to 20 clients1
HoneyBook Essentials + HubSpot FreeEnquiries, proposals, invoices, scheduler, branded email (2,000 sends); no programs or community$59 plus a delivery tool2 or more
Dubsado Premier + HubSpot Marketing StarterForms, contracts, scheduler, workflows, email without HubSpot branding; no delivery$55 + $20 standard seat = $75, plus a delivery tool2 or more
Paperbell + HubSpot FreeBooking, packages, payments, portal, simple site, branded email; no programs$97 plus any course or community tool2 or more
CoachAccountable Level 3 + HubSpot Marketing StarterAction plans, metrics, courses, invoicing, email and landing pages$120 + $20 = $140 for 20 active clients1 for delivery
GoHighLevel StarterFunnels, site, email and SMS, calendar, courses, community; check-ins simulated$97 plus metered SMS and email1 or 2

"Plus a delivery tool" is doing a lot of work in that table. Course, community and client-app tools are priced separately, and we have not added them here because which one you choose changes the total. Add that tool's real price before comparing.

Client count changes the picture for per-client tools. Here is the monthly list price at 5, 15 and 40 active clients, on the cheapest plan that includes scheduling and payments.

Tool5 clients15 clients40 clients
CoachfulLite: $29/month for up to 5 clientsSolo: $49/month for up to 20 clientsPro: $99/month with unlimited clients
HoneyBook (Essentials)$59$59$59
Dubsado (Premier)$55$55$55
GoHighLevel (Starter)$97 + usage$97 + usage$97 + usage
Paperbell$97$97$97
CoachAccountable$40 (Level 1)$120 (Level 3)$250 (Level 4)
Satori$33 (Essentials)$49 (Pro)$49 (Pro)

HubSpot (Starter, 1 seat, standard)$20$20$20
Keap$299 + $500 setup$299 + $500 setup$299 + $500 setup

Every row except Coachful, CoachAccountable and GoHighLevel covers admin only, so a fair comparison adds a delivery tool to those rows. Payment processing fees apply on top in every case.

How does a dating coach set up Coachful, step by step?

Here is an example setup for a dating coach who sells a free profile checklist, books audit calls and runs a six-week program. Expect an afternoon for the core, or ask the white-glove team to build the pieces.

A client's coaching progress page on a laptop and a habit tracker on a phone beside peonies
The client's My Coaching progress page on the laptop and the Growing Habits tracker on the phone, both with demo data.
  1. Build the lead magnet funnel. Create a lead-magnet funnel for your profile checklist, add your Meta Pixel and UTM tags, and link it from your bio. New sign-ups appear on the Prospects page with the form as their source.
  2. Write a three-email welcome sequence. Deliver the checklist, share one common profile mistake, then invite them to book an audit call. Add a branch so people who book skip the third email.
  3. Set up the audit call booking page. Add availability rules, a 15-minute buffer and minimum notice. Ask four intake questions: what they want, how long they have been dating, what they have tried, and anything you should know. Turn on SMS and WhatsApp reminders once messaging is enabled.
  4. Prepare the agreement. Include scope (coaching is not therapy), confidentiality, what you will and will not do with screenshots they share, and when you refer out. Send it for e-signature before the first session. Our coaching contracts page explains the flow.
  5. Create the offer and payment plan. Connect Stripe, create the six-week program as a one-time price and as a payment plan, and add a coupon for alumni renewals.
  6. Build the program. Six weeks with weekly goals (photos and bio, openers, moving to a date, first date, second date, reflection), daily tasks, a habit such as "one new conversation a day", and an evening check-in after each date. You can start from one of the 40+ program templates.
  7. Open a cohort group. If you run the program as a group, enrollment creates the cohort group automatically. Schedule a weekly group call in the community.
  8. Use the client record before every call. Read the AI briefing, scan last week's check-ins, and update shared notes after the call so the client sees them.
  9. Plan retention. Tag clients as they finish, invite those who met someone to a maintenance package, and move the rest into an alumni group with a monthly call.

Here is the intake tracking in motion, from booked call to converted client.

How do you move to a new CRM without losing clients mid-package?

Move between packages, not in the middle of one, and run both systems for two to four weeks. A dating client halfway through a program should not have to learn a new app the week they go on a first date.

  • Export everything first. Contacts, tags, lead sources, signed agreements as PDFs, invoice history and session notes. Notes are the most often lost item.
  • Map your stages. List how your old tool labelled leads and clients (enquiry, audit booked, client, alumni) and recreate those stages and tags before importing.
  • Rebuild payments carefully. Subscriptions and payment plans usually cannot be moved between processors by export. Let current plans finish in the old system, or set new ones up and cancel the old ones on the same day.
  • Move new clients first. Every new enrollment goes into the new system from a set date; existing clients move when their package ends.
  • Tell clients what changes. One short email with the new login, what they will see and who to contact.
  • Delete what you do not need. Old screenshots and chat logs clients shared do not need to travel. Under rules such as the GDPR, keeping only what you need is part of the job.

In Coachful, clients, programs and content are imported for you during onboarding. Our CRM consolidation and cutover guide covers the full process.

Which CRM should a dating coach choose?

Choose Coachful if your clients need to do work between sessions and you want leads, payments, delivery and community in one login. That covers most dating coaches selling programs rather than single calls.

Choose HoneyBook or Dubsado if you sell one-to-one packages with polished paperwork and deliver everything live. Choose GoHighLevel if paid ads and text nurture drive your business and someone else will build the workflows. Choose Paperbell for simple solo booking with PayPal, CoachAccountable for deep metric tracking with a small roster, and Satori while you are still certifying. HubSpot and Keap fit dating coaching businesses with a sales team, not solo coaches.

Whichever you pick, judge it at the deliver stage. The CRM that only tracks who paid will not help a client who is stuck after a third date. Related reading: community platforms for dating coaches and AI tools for dating coaches.

Frequently asked questions

What is the best CRM for dating coaches?

For most dating coaches, Coachful, because it holds leads, intake calls, agreements, payments, sessions, notes and between-session check-ins on one record, and gives clients a branded app. Sales CRMs like HubSpot and Keap track the sale well but have nothing for the work clients do between dates.

Do dating coaches need a CRM or just a scheduler?

A scheduler is enough for the first few clients. Once you have a lead magnet, a waitlist and clients on packages, you need to see who is a lead, who is mid-program and who has gone quiet, which a scheduler cannot show.

Is it safe to store dating clients' personal details in a CRM?

It is safer than spreadsheets and DMs, as long as the tool requires logins and you control exports. Collect only what you need, explain in your agreement how you handle screenshots clients share, and delete what you no longer need. Coachful is GDPR-ready but not HIPAA-certified, so clinical records do not belong there.

Can I use HubSpot's free CRM as a dating coach?

Yes, for contacts and email. The free tier allows 2 users and 1,000 contacts with HubSpot branding on emails, landing pages and the meetings link. It has no client-facing program, check-ins or portal, so delivery needs another tool.

Which CRM works best for group dating programs?

One with a community and flat pricing. Per-client tools like CoachAccountable get expensive with large cohorts. In Coachful, enrolling a client into a program can create the cohort group automatically, with group chat and video events alongside the client records.

How should I handle clients who need therapy rather than coaching?

Write a referral clause into your agreement and add a screening question to your intake form. If a client discloses abuse, trauma, self-harm, an eating disorder or severe anxiety or depression, refer them to a licensed mental health professional. Coaching can continue alongside therapy only where that is appropriate and agreed.

What is Coachful's free white-glove service?

On every plan, the Coachful team builds what you describe inside your account, such as a website, a lead-magnet funnel, a program or an email sequence, usually within about 24 hours. You can attach up to 8 links and 10 files. It does not include recording videos, logo design or ad management.

Does Coachful take PayPal?

No. Payments run through your own Stripe Connect or Razorpay account, with Apple Pay and Google Pay. If many of your clients insist on PayPal, Paperbell or Satori support it.

How much does a CRM cost for a dating coach with 15 clients?

From October 2026 list prices: Dubsado Premier is $55 a month, HoneyBook Essentials $59, Paperbell $97 and CoachAccountable $120 for up to 20 active clients, before any delivery tools. Coachful's plan for 15 clients is Solo: $49/month for up to 20 clients.

Can I move my clients into Coachful without rebuilding everything?

Yes. Clients, programs and content are imported for you during onboarding, and the white-glove team can rebuild your site or funnels. Move new clients first and existing clients when their package ends.
