Best CRM for Weight Loss Coaches: Top 12 Picks for 2026

Best CRM for Weight Loss Coaches: Top 12 Picks for 2026

The best CRM for weight loss coaches is the one that keeps a client's weekly check-ins, habits, session notes, goals and payments on a single record, and also follows up with the people who downloaded your meal-plan guide but never booked a call. Most CRMs on the market do one half of that. Sales CRMs such as HubSpot and Keap track leads and deals well but stop at the sale, while back-office tools for freelancers handle contracts and invoices but know nothing about a client's 12-week program or whether they logged their water intake yesterday.

Our pick is Coachful, and we should say up front that we make Coachful. It ranks first here because a weight loss client's progress lives between sessions, and Coachful puts check-ins, habits, programs, sessions, notes and payments in one login for you and one branded app for your client. Below are 11 other tools, each placed by the situation it genuinely wins, with prices as vendors listed them in October 2026.

What do weight loss coaches need from a CRM?

A weight loss coach needs a CRM that tracks behavior over weeks, not just contact details and deal stages. The client relationship is long, the important data arrives daily, and the risk point is the quiet week when a client stops checking in.

Here is what that means in practice for this niche:

  • A client record built around progress. Goals, weekly check-ins, habit streaks, intake answers, session notes and payments should sit on the same page, so before a call you can see that a client's evening check-ins dropped off after a work trip.
  • Between-session delivery. Most weight loss programs run 8 to 16 weeks with daily habits (protein at breakfast, a 20-minute walk, a food log) and a weekly reflection. If the CRM cannot deliver those, you add a habit app, and the data splits across two systems. Our guide to habit tracking apps for weight loss coaches covers that category on its own.
  • An early warning for drop-off. Clients rarely announce that they are quitting. A status like "quiet" or "at risk" that updates from activity is worth more than any sales pipeline.
  • Lead follow-up that suits a consult-based sale. Most weight loss coaches sell through a free guide or quiz, then a discovery call, then a package. You need lead capture, a booking page with intake questions, and an email sequence for people who did not book.
  • Payment plans. Three-month and six-month programs are often paid monthly, so subscriptions and payment plans matter more than one-off invoices.
  • Scope and privacy awareness. Many of your clients will mention medications, diabetes, past eating disorders or pregnancy. A coaching CRM is not a clinical record system. If you work under a clinic or bill insurance, the US HIPAA rules for covered entities may apply, and you need a system that signs a business associate agreement.

A line on scope belongs in every weight loss coach's setup: coaching supports behavior change, it is not medical treatment or medical nutrition therapy. Refer clients to a doctor or registered dietitian when they report signs of disordered eating, take medication that affects weight or blood sugar, are pregnant, have a diagnosed condition such as diabetes or kidney disease, or want a target that seems unsafe. Our article on weight loss coaching, what works and the red flags expands on where those lines sit.

Quick picks: which CRM fits your situation?

If you only read one table, read this one. Each row names the situation a tool wins in, and every price is as listed on the vendor's site in October 2026.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

How did we rank these CRMs?

We ranked each tool on how much of a weight loss client's journey it holds in one place, not on how many sales features it lists. We did not run hands-on tests; the ranking draws on what each vendor documents on its own site and pricing page, and on what public reviewers report.

The five criteria, in order of weight:

  1. One login for the whole client journey. Lead, consult, agreement, payment, program, check-ins and renewal in a single system.
  2. Between-session delivery. Habits, daily tasks, weekly check-ins and goal tracking the client actually sees.
  3. Lead follow-up. Forms, lead magnets, booking with intake questions and email sequences.
  4. Total stack cost. The monthly price of the CRM plus everything you would need to bolt on to cover the gaps.
  5. Setup effort. How long it takes a solo coach to go from sign-up to a working practice, including whether someone will build it for you.

Sales CRMs score well on the third point and poorly on the first two, which is why HubSpot and Keap sit at the bottom despite being capable products. Tools built for coaching sessions score well on the first point but often lack habits, check-ins or lead capture.

1. Coachful: best overall CRM for weight loss coaches

Coachful wins when your clients' progress depends on what they do between calls. It is a coaching platform where the CRM, booking, payments, agreements, programs, habits, check-ins, courses, community, website, funnels and email share one client record, and the client sees all of it inside one app carrying your branding.

What a client record holds

Each client record in Coachful shows goals, check-ins, habits, notes, intake answers, tags, payments and sessions together, plus an AI briefing per client. Every client also carries a status of thriving, active, quiet or at risk. For a weight loss coach this is the most useful screen in the product: the client who has been "quiet" for ten days after a holiday shows up before they cancel, not after.

Multi-week programs carry weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. A typical setup might be a morning check-in asking about sleep and hunger, and an evening check-in asking about meals, movement and mood. The answers land on the client record, so your session notes and the week's data sit side by side.

If your practice leans toward training and food, the Fitness & Nutrition pack adds nutrition targets up to calories and macros, meal plans, recipes, food lookup and barcode scanning, private progress photos and measurements, weekly check-ins, and a workout builder with an illustrated exercise library and client workout logging. Clients can send private form-check videos that you comment on with timestamps. Coachful does not ship stock exercise videos, so you attach your own demos, and it does not sync with Garmin, Fitbit, Whoop or Oura; Apple Health sync is not publicly available either. More on that at fitness and nutrition coaching in Coachful.

Lead follow-up without a separate sales tool

Coachful's Prospects page lists leads with their source form or resource and their stage, with a board view as well. Leads come from funnels (booking, application, lead-magnet and checkout funnels with pixels and UTM tracking), your website, and your link-in-bio page. Booking pages handle availability rules, buffers, minimum notice and time-zone detection, and can ask intake questions before a discovery call. Email lists, broadcasts and multi-step sequences with triggers, delays, branching and A/B splits handle the people who downloaded your guide but have not booked yet. The lead management overview walks through the pieces.

Coachful prospects table with lead sources and stages

Coachful does not have a multi-stage sales deal board for large sales teams, and it does not integrate with Salesforce or HubSpot. For a solo weight loss coach or a small team selling consults, that is rarely a gap; if you run a sales team with closers, it is.

What the client sees

Clients get your branding inside the Coachful app and web portal, where they find their next session, programs, progress, documents, habits, courses and the community. The app is published under the Coachful listing with your branding, not under your own App Store account. Coaching agreements with e-signature go out before the first call and are stored on the client record, and sessions can use built-in video or auto-created Zoom, Meet or Teams links, with email reminders plus SMS (24 hours before) and WhatsApp (1 hour before) once messaging is enabled.

What the client sees: the My Coaching page with a demo journey and tabs for programs, sessions, progress and documents.

Payments run through your own Stripe Connect or Razorpay account: one-time payments, subscriptions, payment plans, coupons, refunds, Apple Pay and Google Pay. Coachful charges a 0% platform fee on those payments, so you pay only Stripe or Razorpay processing. PayPal is not supported.

Here is a short walkthrough of the client area:

Michelle, the AI assistant

Michelle works from your live practice data. She can brief you before a session ("check-ins dropped after Thursday, step goal hit four of seven days"), summarize recorded sessions, draft check-in emails and build program drafts. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. You can also configure an AI Coach, an AI version of you that selected clients can chat with between sessions. See the AI coaching assistant for details.

Why Coachful stands out: a free white-glove service. From Create > We'll build it for you, you describe what you want and the Coachful team builds it inside your own account, usually within about 24 hours. For a weight loss coach that could be a website, a free-guide funnel, a 12-week program outline, a weekly check-in form, or an email sequence for people who downloaded your guide. You can attach up to 8 reference links and up to 10 files such as your logo, photos and existing copy. The team does not invent credentials, testimonials or prices; gaps are left for you to fill. One recent example: a menopause and midlife health coach starting from nothing got a five-page site in sage and cream with every button leading to a free 20-minute consultation. The service does not cover recording videos, logo design, ad management or ongoing marketing. Read more about the free white-glove build service.

Price and limits

Plans are flat monthly prices; lower plans cap the number of clients, Pro is unlimited, and team plans add coach seats (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). There is a free trial and monthly plans cancel in one click. There is no permanent free plan.

The limits worth knowing: Coachful is not HIPAA-certified and does not sign a BAA, so it is not the place for clinical records or insurance billing. It has no PayPal, no wearable sync and no stock exercise videos. If a client's care needs a clinician, keep that record in a clinical system and refer out.

Who it is for: weight loss and health coaches who deliver programs rather than single sessions, solo coaches growing into a small team, and coaches currently juggling four to six tools. How to start: open a free trial, then request the white-glove build for your site or first program. Your clients, programs and content are imported for you during onboarding. See also Coachful for health coaches and the coaching CRM page.

2. HoneyBook: when you sell one-to-one packages with proposals

HoneyBook wins for the coach who sells a single package, say a 12-week one-to-one program, through a proposal that bundles the offer, the contract and the first invoice into one step. It is a client-management CRM for service businesses, with proposals, contracts, invoices, a scheduler and a client portal.

HoneyBook homepage in October 2026, showing its headline and main navigation
HoneyBook's homepage in October 2026.

For a weight loss coach the appeal is a polished sales step: a prospect finishes a discovery call, receives a proposal, signs, and pays in one flow. The client portal then holds documents and invoices. HoneyBook's own payments handle the money, which keeps setup simple if you do not already use Stripe.

Pricing as listed in October 2026: Starter $29/month billed annually (the monthly price was not shown), with unlimited clients and projects and 2 live lead forms; Essentials $59/month ($49 annually) for up to 2 team members and 10 lead forms; Premium $129/month ($109 annually) with unlimited team members. There is a 30-day free trial with no credit card. Payments must run through HoneyBook's processing, and its own pricing page lists two different card rates (2.7% + 10¢ in the FAQ and 2.9% + 25¢ in the plan comparison). On Trustpilot it held 4.1 from 748 reviews when we checked in October 2026.

The catch for this niche: HoneyBook has no coaching delivery. There are no programs, habits, check-ins, courses or community, so the client's weekly progress lives in a separate app or a spreadsheet. The scheduler and automations are not on Starter, so most coaches need Essentials.

Pick it over Coachful if your clients only meet you for sessions, you do not track daily habits or weekly check-ins, and a polished proposal-to-payment step is the main thing you need.

3. Dubsado: the workflow engine for paperwork-heavy practices

Dubsado suits the coach who wants every new client to move through the same automated paperwork: inquiry form, intake questionnaire, contract, invoice, reminder. Its workflows trigger each step automatically, which helps if you onboard many one-to-one clients a month and want zero manual admin.

Dubsado homepage in October 2026, showing its headline and main navigation
Dubsado's homepage in October 2026.

Weight loss coaches tend to use Dubsado forms for long health-history and lifestyle questionnaires, then a contract that sets out scope (coaching, not medical advice) and a payment schedule. The workflows can send a follow-up form at week six. That is useful, but it is a form, not a check-in the client completes daily in an app.

Pricing as listed in October 2026: Starter $35/month ($27.92 billed annually) with unlimited clients and projects and 1 active lead-capture form; Premier $55/month ($43.75 annually) with unlimited lead forms. There is a 21-day trial with full Premier access and no card required. Dubsado states no platform fee; processor rates apply.

Where it falls short: Starter has no scheduler or automations, so the reason most people choose Dubsado sits on Premier. Dubsado says itself that it does not build websites and is not an email marketing platform. There are no courses, community, habits or check-ins, and the mobile app is a companion; full use needs the desktop web app.

Pick it over Coachful if your coaching is session-based, your biggest time sink is onboarding paperwork, and you already have separate tools for email marketing and client progress that you are happy with.

4. GoHighLevel: for ad-heavy funnels and text follow-up

GoHighLevel is the fit for a weight loss business running paid ads into funnels, with high lead volume and a team texting leads within minutes. It is an agency-first marketing CRM with funnels, websites, calendars, SMS and email, invoicing, contracts, courses and communities, organized around sub-accounts.

GoHighLevel homepage in October 2026, showing its headline and main navigation
GoHighLevel's homepage in October 2026.

Its strength in this niche is speed to lead. A "free 7-day meal plan" ad can feed a funnel, trigger an SMS, assign a call and track the result in a pipeline. If you run a challenge-style group program with hundreds of sign-ups, that machinery is hard to match.

Pricing as listed in October 2026: Starter $97/month ($80.83 billed annually) with 3 sub-accounts and unlimited users and contacts; Unlimited $297/month ($247.50 annually); Agency Pro $497/month ($414.17 annually); Enterprise is custom. There is a 14-day free trial, and billing starts automatically when it ends unless you cancel. SMS, email, phone and AI usage are metered and billed on top of the plan. HIPAA support is a $297/month add-on. On Trustpilot it held 4.9 from 15,250 reviews in October 2026.

The trade-off: GoHighLevel has no habit tracking, client check-ins or structured coaching-program engine; you would build those out of workflows and forms. There are no built-in video rooms, only Zoom and Google Meet links. The product is designed for agencies managing many client accounts, so a solo coach pays for structure they may not use.

Pick it over Coachful if paid advertising and high-volume SMS follow-up are the core of your business, you have someone to build and maintain the automations, and client delivery happens in another tool.

5. Trainerize: when training sessions lead and food comes second

Trainerize earns its place for weight loss coaches whose programs are built mainly around workouts, with nutrition coaching layered on. It is fitness coaching software with a client app for workouts, and its pricing page lists nutrition, video coaching and payments as paid add-ons.

We fetched Trainerize's pricing page in October 2026. It lists Grow at $10/month for up to 2 clients, Pro from $25/month for 5 clients scaling to $135/month for 50 clients, and Studio Plus from $275/month for up to 500 members. Add-ons on Pro include Advanced Nutrition Coaching ($20/month on Grow, Pro 5 and Pro 15; $45/month on Pro 30 and above), Video Coaching ($10/month), Stripe Integrated Payments ($10/month) and a Business add-on ($25/month). A custom-branded Pro app is a one-time $169 setup fee. The page advertises a 30-day free trial with no credit card. We could not confirm the exact Pro price at 15 or 40 clients from the page text, so check the slider before you budget.

What it means for a weight loss coach: if nutrition is central to your method, you will likely pay for the nutrition add-on, and for payments too, so the starting price understates the real cost. Trainerize is a delivery tool first; it is not built for lead capture, websites or email sequences, so most coaches pair it with a separate CRM or funnel tool.

Pick it over Coachful if you are primarily a personal trainer whose clients follow detailed workout plans, and you want a fitness-first app with its add-on model. Our CRM guide for personal trainers compares the training-led options in more depth.

6. Practice Better: for nutrition practices that keep clinical-style charts

Practice Better is the strongest choice here for practitioners whose work crosses into nutrition practice, such as dietitians who also run weight loss programs. It is practice-management software for wellness and nutrition practitioners: scheduling, telehealth, charting, billing, programs and a client portal.

Practice Better homepage in October 2026, showing its headline and main navigation
Practice Better's homepage in October 2026.

The charting is the difference. If you keep structured notes in a professional format and need telehealth alongside billing and programs, Practice Better is built for that. Coachful, by contrast, is a coaching platform and not a clinical record system.

Pricing as listed in October 2026: Sprout $0 for 3 clients; Starter $35/month ($25 billed annually) for 10 clients; Professional $69/month ($59 annually) for 300 clients; Plus $99/month ($89 annually) for unlimited clients; Team $155/month ($145 annually) for 2 practitioners. Trials run 30 days on Team and 14 days on other paid plans. Evergreen programs, portal branding, custom URL and SMS start on Plus, so a weight loss coach running a rolling program will usually need the $99 tier. Trustpilot showed 3.8 from 87 reviews in October 2026.

The gaps: no website builder or funnel pages, per our earlier profile, and one practitioner per account below Team. Lead follow-up would need a separate tool. We cover the switch in detail in Practice Better alternatives for weight loss coaches.

Pick it over Coachful if you are a credentialed nutrition professional who needs charting and telehealth in a practice-management format, and you do not need a website, funnels or a client community.

7. Paperbell: one price for a solo coach's admin

Paperbell wins for the solo coach who wants one flat price, no tiers, and the basics done well: booking, packages, payments, contracts and a simple client portal. A weight loss coach selling a "6 sessions over 12 weeks" package can set it up in an afternoon.

Paperbell homepage in October 2026, showing its headline and main navigation
Paperbell's homepage in October 2026.

As listed in October 2026, Paperbell is a single plan at $97/month ($80.83 billed annually) covering unlimited clients, sessions, files and packages. It states no additional transaction fees beyond Stripe or PayPal processing and offers a 30-day money-back guarantee. Its help center (July 2026) described a 7-day trial with the public site offline. Trustpilot showed 3.5 from 14 reviews in October 2026.

Limits that matter here: no courses, community, goal or habit tracking according to our earlier profile, and no native mobile app, only a mobile browser. For a weight loss client whose week is made of small daily actions, that means a second tool for tracking. See Paperbell alternatives for the side-by-side.

Pick it over Coachful if you only sell session packages, you never plan to run programs or groups, and you value a single fixed price above everything else.

8. CoachAccountable: for metric-tracking without the marketing

CoachAccountable fits a coach who wants action plans and numeric metrics per client (weekly weight, daily steps, servings of vegetables) inside a mature coaching back office. It covers sessions, action plans, metrics, worksheets, courses, invoicing and agreements.

CoachAccountable homepage in October 2026, showing its headline and main navigation
CoachAccountable's homepage in October 2026.

Its metrics feature is the reason weight loss coaches look at it: a client can log a number on a schedule and you can review the trend.

Pricing as listed in October 2026, by active client: Starter $20/month for 2 clients, Level 1 $40 for 5, Level 2 $70 for 10, Level 3 $120 for 20, Level 4 $250 for 50 and Level 5 $400 for 100. The trial is 30 days, no card and no limits. Trustpilot showed 4.8 from 47 reviews. Per-client pricing gets expensive fast for group weight loss programs; 40 clients already lands on the 50-client tier at $250.

What it lacks: no native mobile app, no landing pages, website or marketing automation (per our earlier profile), and it says itself that it is not HIPAA compliant. More at CoachAccountable alternatives.

Pick it over Coachful if you run a small one-to-one roster, numeric metrics are your main tool, and you handle marketing entirely elsewhere.

9. Satori: a light option for a handful of paying clients

Satori suits a newer weight loss coach with a few paying clients on packages who wants scheduling, a client portal, invoices and contracts without much setup. Only active clients count toward billing, which helps if clients pause between programs.

Satori homepage in October 2026, showing its headline and main navigation
Satori's homepage in October 2026.

Pricing as listed in October 2026: Scholar $0 for coaches studying for a certification (unlimited pro bono clients, by application); Essentials $33/month ($27.50 annually) for up to 10 active paying clients; Pro $49/month ($40.83 annually), which our September 2026 profile listed at 50 active clients; Leader $124/month ($103.33 annually), listed at 150 active clients. The trial is 15 days with no card, and Satori offers a refund within 30 days of signing up. It charges nothing on client payments beyond PayPal and Stripe fees.

The limits: our earlier profile lists no native mobile app, no native Zoom integration, and no landing pages, courses or community. Habit tracking and daily check-ins are not part of the product.

Pick it over Coachful if you have fewer than ten clients, you sell straightforward session packages, and you want the lightest possible admin tool while you test your offer. Our guide to starting a weight loss coaching business covers what to set up first.

10. Bonsai: if coaching is one service among several

Bonsai makes sense when you also bill consulting or freelance work, such as a coach who writes meal-plan content for brands alongside client work. It is business management for freelancers and agencies: proposals, contracts, invoices, time tracking and projects.

Bonsai homepage in October 2026, showing its headline and main navigation
Bonsai's homepage in October 2026.

Pricing as listed in October 2026, per user: Basic $15/month ($9 billed annually), Essentials $25 ($19), Premium $39 ($29) and Elite $59 ($49) with a 3-user minimum. The trial is 7 days. Basic has no invoicing or payments, so most coaches start at Essentials. Our earlier profile notes a 1% platform fee if you use your own Stripe or PayPal where Bonsai Payments is available; Bonsai's help article could not be re-read in October 2026. Trustpilot showed 4.3 from 641 reviews.

Not built for: courses, community, client habits, check-ins or coaching programs. A custom domain is listed as expected in 2026 rather than available.

Pick it over Coachful if most of your revenue comes from project or hourly work and coaching clients are a small side line that does not need between-session tracking.

11. HubSpot: a free contact database while you validate demand

HubSpot's free CRM is a reasonable place to keep a list of leads when you are still testing whether people will pay for your weight loss program. It covers contacts, deals, tasks, email tracking and live chat, and it is a general sales and marketing suite rather than a coaching tool.

HubSpot homepage in October 2026, showing its headline and main navigation
HubSpot's homepage in October 2026.

Pricing as listed in October 2026: Free tools at $0 for up to 2 users and 1,000 contacts, with 2,000 email sends a month carrying HubSpot branding and 1 branded meetings link. Starter seats are on a promotion at $10/month ($7 annually) against a standard $20 per seat. Professional is $100 per seat per month ($90 annually) plus a required onboarding fee. HubSpot Payments charges 2.9% on cards, with a 0.5% platform fee after the first year. Trustpilot showed 1.5 from 1,176 reviews when we checked in October 2026.

Why it sits near the bottom: HubSpot is built for sales teams moving deals through pipelines. It has no client portal for coaching, no programs, habits or check-ins, and no session notes tied to a client's progress. Once someone pays, HubSpot has little to offer a weight loss client.

Pick it over Coachful if you are pre-launch, need only a no-cost list of leads for a few weeks, or you already work inside a company that runs HubSpot. The general CRM guide for coaches covers HubSpot's place in more detail.

12. Keap: for established teams running big campaigns

Keap is a small-business CRM with email and text marketing automation and a library of prebuilt automations. It makes sense for an established weight loss business with a large list, several staff, and campaigns that need tagging, scoring and text follow-up.

Keap homepage in October 2026, showing its headline and main navigation
Keap's homepage in October 2026.

Pricing as listed in October 2026: a single plan from $299/month ($249 billed annually) covering 1,500 contacts and 2 users, with extra users at $39/month each and contact tiers above that. A one-time implementation package is required ($500, shown discounted from $1,500), and annual contracts carry a $299 early termination fee. The 14-day trial is capped at 25 emails and cannot process payments or send texts. Trustpilot showed 1.1 from 498 reviews in October 2026.

The fit problem: Keap has no course hosting, membership area, client portal or client app, and no programs, habit tracking or check-ins. The entry price is high for a solo coach, and you would still need a delivery tool for clients.

Pick it over Coachful if you already have a large list, a marketing team, and a separate delivery platform, and you want deep campaign automation with texting from a dedicated marketing CRM.

How do the 12 CRMs compare feature by feature?

The matrix below shows which tools cover the parts of a weight loss client's journey. "Forms only" means the vendor documents something close, such as forms that can stand in for check-ins; "Not confirmed" means we could not verify it from the vendor's pages.

The column that separates this niche from a generic CRM roundup is "Habits and check-ins." Only Coachful covers it fully alongside lead capture and payments, which is why the rest of a weight loss coach's stack usually grows around whatever tool lacks it.

What does a full CRM stack cost each month?

A weight loss coach rarely runs on one tool unless that tool covers delivery. Here are three example stacks for a coach with about 15 clients on a 12-week program, a free-guide lead magnet, weekly check-ins and monthly payment plans. These are illustrations using October 2026 list prices on monthly billing, before payment processing fees.

Free CRM plus session toolHubSpot Free tools ($0), Paperbell ($97), plus a habit tracking app$97 plus the habit app's priceBranded email, programs, community; three logins for you, two for clients

The cost per tool matters less than the cost of the gaps. Every split stack means a client checks in on one app, pays on another and books on a third, and you reconcile them before each call. At 40 clients, per-client pricing (CoachAccountable's 50-client tier is $250) and add-on pricing grow faster than flat plans. For comparison, the unlimited flat plan here: Pro: $99/month with unlimited clients.

How would a weight loss coach set this up in Coachful?

Here is an example setup for a coach launching a 12-week group-plus-one-to-one program. The steps are illustrative; your program length and check-in questions will differ.

  1. Request the build. Use Create > We'll build it for you to ask for a website and a lead-magnet funnel for a free "first two weeks" guide. Attach your logo and any existing copy.
  2. Set up booking. Create a free 20-minute consult with intake questions about goals, current routine and any medical conditions or medications, so you can screen for referral needs before the call. Connect your Google, Apple or Outlook calendar.
  3. Write the agreement. Add a coaching agreement that states coaching is not medical care, sets your referral policy, and covers payment terms. It goes out for e-signature before the first session.
  4. Build the program. Start from one of the 40-plus program templates or ask Michelle for a draft, then set weekly goals (week 1: a breakfast with protein five days), daily habits, and morning and evening check-ins.
  5. Create the offer. Connect Stripe, set a three-month payment plan, and attach the program so enrollment adds the client to the program and its cohort group automatically.
  6. Write the follow-up. Build an email sequence for guide downloads who did not book: day 2 a practical tip, day 5 a short story about the method, day 9 an invitation to the consult. Follow the FTC's CAN-SPAM guidance on unsubscribe links and sender details.
  7. Watch the statuses. Each week, sort clients by quiet or at risk and reach out before the next session.

Testimonials are a common part of weight loss marketing. The FTC's rule on consumer reviews and testimonials covers fake or misleading reviews, so only publish real client words with permission, and avoid presenting unusual results as typical.

What mistakes do weight loss coaches make when choosing a CRM?

  • Buying a sales pipeline for a delivery problem. A deal board tells you who might buy. It does not tell you which client stopped logging meals last week, which is where retention is won or lost.
  • Storing medical detail in a coaching tool. Collect what you need to coach safely and to know when to refer. Lab results, diagnoses and medication plans belong with the client's clinician.
  • Ignoring add-on pricing. Nutrition modules, payments, SMS and branded apps are often extra. Price the version you will actually run.
  • Splitting check-ins from notes. If check-ins live in a habit app and notes live in the CRM, you will prepare for sessions by switching tabs.
  • Skipping the referral path. Add screening questions to booking and write your referral policy into the agreement before your first client.

Which CRM should a weight loss coach choose?

For most weight loss coaches, Coachful is the best choice because it holds the full client journey in one place: lead, consult, agreement, payment plan, program, daily habits, weekly check-ins and session notes, with a status that flags quiet clients early. Practice Better is the better pick for credentialed nutrition professionals who need charting. GoHighLevel and Keap make sense only when high-volume marketing is the business and delivery happens elsewhere. HoneyBook, Dubsado, Paperbell and Satori suit coaches whose work is mostly sessions.

Frequently asked questions

What is the best CRM for weight loss coaches?

Coachful is our top pick because it keeps check-ins, habits, programs, sessions, notes, payments and lead follow-up on one client record, with a branded app for clients. Practice Better suits nutrition professionals who need charting, and HoneyBook suits session-only coaches who sell through proposals.

Do I need a CRM if I only have five clients?

Not strictly, but five clients on a 12-week program generate a lot of check-ins, notes and payments. A tool that holds those together saves preparation time and makes it easier to spot a client going quiet. Starting early also avoids a migration when you grow.

Is HubSpot good for weight loss coaches?

HubSpot's free CRM is fine for keeping a list of leads, but it is built for sales teams. It has no coaching programs, habits, check-ins or client portal, so you would need a second tool as soon as someone pays.

Can I store client weight and health information in a coaching CRM?

You can record coaching data such as goals, habits and check-in answers, but keep clinical records, diagnoses and lab results with the client's clinician. Coachful is not HIPAA-certified and does not sign a BAA. If you work under a clinic or bill insurance, use a system built for that.

When should a weight loss coach refer a client out?

Refer to a doctor or registered dietitian when a client shows signs of disordered eating, takes medication that affects weight or blood sugar, is pregnant, has a condition such as diabetes, or wants a target that seems unsafe. Coaching supports behavior change; it is not treatment.

Does Coachful sync with fitness trackers?

No. Coachful does not sync with Garmin, Fitbit, Whoop or Oura, and Apple Health sync is not publicly available. Clients log workouts, measurements, progress photos and nutrition inside the app instead.

What is Coachful's free white-glove service?

From Create > We'll build it for you, you describe what you need, such as a website, funnel, program or email sequence, and the Coachful team builds it in your account, usually within about 24 hours. It is free on every plan. It does not include video recording, logo design, ad management or ongoing marketing.

Can clients pay for a weight loss program in monthly installments?

Yes, in most tools on this list. In Coachful, subscriptions and payment plans run through your own Stripe or Razorpay account with a 0% platform fee, so you pay only processing. PayPal is not supported.

Which CRM is cheapest for a new weight loss coach?

Practice Better's Sprout (3 clients) and HubSpot's Free tools cost $0 as listed in October 2026, but both have tight limits for coaching delivery. Compare the price of the stack you will actually need, including any habit app or add-ons, rather than the cheapest single plan.
