Top 12 Invoicing Software for Business Coaches, Ranked

Top 12 Invoicing Software for Business Coaches, Ranked

The best invoicing software for business coaches does more than send a PDF with a number on it. A business coach bills monthly retainers, six- and twelve-month programs paid in instalments, VIP strategy days, workshops for a client's leadership team, and invoices that a company's finance department will only pay if the legal entity name and tax line are right. So the deciding question is simple: do you want a billing tool that sits next to your coaching, or one system where the invoice, the signed agreement, the session calendar and the program the client is paying for all live together?

Our pick is Coachful. It puts booking, agreements, payments, invoices and program delivery behind one login, runs payments through your own Stripe or Razorpay account with a 0% Coachful platform fee, and the Coachful team will build your offers and sales pages for you at no cost. We make Coachful, so we ranked it first and say so plainly. The other eleven tools are described from what their vendors document and what public reviewers report, with prices as listed in October 2026. If you want the category explained before the rankings, start with our guide to coaching billing and invoicing software.

What do business coaches need from invoicing software?

Business coaches need recurring retainers, instalment plans, B2B-ready invoices and a clean handoff to their accountant, and they need the invoice tied to the agreement and the work. A generic freelancer invoice tool covers the first item and little else.

Here is what the billing side of a business coaching practice usually looks like:

  • Retainers that renew. Many business coaches sell ongoing advisory at a monthly fee. That needs a subscription that charges the card automatically and issues an invoice each cycle, not a reminder to yourself on the first of the month.
  • Programs paid in parts. A 12-week accelerator or a 6-month growth program is often paid in three or six instalments. You want the plan to run on its own and stop when it is paid off.
  • Company-paid engagements. When an owner's company pays, or an HR director buys coaching for three managers, the invoice needs the company's details and sometimes a purchase order number. These are often one-off manual invoices.
  • Agreement before payment. Scope, cancellation terms and confidentiality belong in a signed coaching agreement before the first session. Our e-signature roundup covers why.
  • Group and mastermind billing. Ten owners in a mastermind means ten subscriptions that start on the same day, plus a group space for them to meet.
  • Tax and records. Sales tax or VAT rules depend on where you and your client are. The IRS explains which business records to keep and how long to keep them; check with an accountant for your own situation.

If you are still pricing your offers, read how much business coaches charge before you build anything. The software should fit the offer, not the other way around.

Which invoicing tool wins which scenario?

Coachful wins overall; the other tools each win a narrower situation. Ranking criteria: one login for the whole client journey, between-session delivery, total stack cost at 5, 15 and 40 clients, and setup effort, including whether someone will build it for you.

ToolBest forStarting price as listed
CoachfulBest overall: retainers, payment plans, agreements and program delivery in one placeLite: $29/month for up to 5 clients
HoneyBookProposal-led B2B engagements with a polished client portal$29/month billed annually (Starter)
FreshBooksCoaches whose accountant wants clean books and time tracking$23/month (Lite, 5 billable clients)
DubsadoScripting every onboarding step with custom workflows$35/month (Starter)
WaveA free invoicing and accounting start for a handful of clients$0 (Starter)
CoachAccountableSmall one-to-one rosters run on action plans and metrics$20/month (2 active clients)

The remaining six (Paperbell, Practice Better, Bonsai, QuickBooks Online, Stripe Invoicing and Xero) each have a section below.

How did we choose and rank these 12 tools?

We weighted the four criteria above toward what costs a business coach time and money in practice, then checked each vendor's own pricing and feature pages.

One login for the client journey. A prospect who books a discovery call, signs an agreement, pays the first instalment and starts a program should not need four accounts. Every handoff between tools is a place where an invoice goes out late or an agreement never gets sent.

Between-session delivery. Business coaching results come from what owners do between calls: the hiring plan, the pricing review, the weekly numbers. Tools that only invoice leave that work in email threads.

Total stack cost. We priced each tool at 5, 15 and 40 clients and added what you would still need to buy. Per-client and per-user pricing look cheap at the start and change shape as you grow.

Setup effort. A business coach's time is billable. A tool that takes two weekends to configure carries a real cost; a team that builds it for you removes most of it.

We did not run hands-on trials for this article. Prices are as listed in October 2026 unless noted; Trustpilot ratings were seen on 25 October 2026. Where we could not verify a price, we say so.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

1. Coachful: which tool handles retainers, programs and invoices in one place?

Coachful is the best choice when your invoices are attached to an engagement: a retainer, a cohort, a 90-day program. It is a coaching platform where one subscription covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The coach has one login and the client gets one app with the coach's branding. It is built for coaches who deliver programs rather than isolated sessions, for solo coaches growing into a small team, and for coaches replacing four to six separate tools.

How billing works

Payments run through your own Stripe Connect or Razorpay account. You can sell one-time payments, subscriptions for retainers, payment plans for fixed-length programs, order bumps and coupons, issue refunds, and accept Apple Pay and Google Pay. Stripe Tax is available for tax calculation. Each transaction produces an invoice, and you can create manual invoices for the company-paid workshop or the sponsor who wants a separate bill. Since August 2026 the Coachful platform fee is 0%, so you pay only Stripe or Razorpay processing on top of your membership.

Here is a short walkthrough of the invoices screen:

Where the invoice connects to the rest of the engagement

Offers are where you package what you sell: a monthly advisory retainer, a 12-week accelerator, a mastermind seat. Booking pages handle availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple and Outlook calendar sync and auto-created Zoom, Meet or Teams links. You can sell paid sessions and session credits, and ask intake questions at booking, which suits the "tell me your revenue and team size" question every business coach asks.

Coaching agreements with e-signature go out before the first call and are stored on the client record, next to payments, sessions, notes, goals and intake answers. Each client has a status (thriving, active, quiet or at risk), so you can see which retainer client has gone quiet before the renewal date. More on this on the coaching contracts page.

The Agreements tab before any agreement is added, with a drop area for a signed PDF.

After payment, the client lands in their branded home: multi-week programs with weekly goals, daily tasks, habits and check-ins, courses with drip and completion tracking, downloads and worksheets. Enrolling in a program creates a cohort group automatically, which is how a mastermind gets its own space without extra admin. Group calls and webinars run inside the same account.

Michelle, the built-in AI assistant, works from your live practice data: she briefs you before a session, summarizes recorded sessions and drafts follow-up emails. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. Team plans (Studio and Agency) add coach seats with per-coach availability and staff permissions, for the business coach who brings in an associate.

Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you · FREE" and describe what you want: a website, a sales page for your retainer, an application funnel, a program, an email sequence. Attach up to 8 reference links and up to 10 files such as your logo, brand guide and existing copy. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake testimonials, credentials or prices, and gaps are left for you to fill. Two recent anonymized builds fit this audience: a business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails, and a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. Video recording, logo design, ad management and ongoing marketing are not included. Read more about the white-glove build service.

Price and limits

Plans are flat monthly; lower plans cap the number of clients, Pro is unlimited, and monthly plans cancel in one click. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. A free trial is available.

What it does not do matters for some business coaches. There is no PayPal. There is no multi-stage sales deal board for large teams and no HubSpot or Salesforce integration, so a coach selling six-figure corporate contracts through a long pipeline may still want a CRM. The affiliate program tracks referral links, clicks, conversions and revenue, but payouts to referral partners are recorded manually. There is no permanent free plan. Zapier is among the integrations if you want to pass events to other tools.

Start with a free trial, then request a white-glove build so your first offer and sales page are ready before your next discovery call. The Coachful for business coaches page shows the setup in more detail.

2. HoneyBook: is it right for proposal-led B2B engagements?

HoneyBook wins when your sales process is proposal first: you scope an engagement, send a branded proposal, and the client signs and pays in one flow. It is a client-management CRM for service businesses, with proposals, contracts, invoices, a scheduler and a client portal.

HoneyBook's homepage presenting its client management platform for service businesses
HoneyBook's homepage in October 2026.

For a business coach who sells defined consulting-style projects, such as a quarter-long operations review, the attraction is that proposals, contracts and invoices sit in one tool, so scope, signature and deposit follow each other without switching apps.

Pricing as listed in October 2026: Starter at $29/month billed annually (the monthly price was not shown), with unlimited clients and projects and 2 live lead forms; Essentials at $59/month ($49/month annual) for up to 2 team members and 10 lead forms; Premium at $129/month ($109/month annual) with unlimited team members and multiple companies. There is a 30-day free trial with no credit card required.

Payments must run through HoneyBook's own processing. The pricing page conflicts on card rates: the FAQ says 2.7% + 10¢ while the plan comparison shows 2.9% + 25¢. ACH is 1.5% and instant deposit costs 1%. Premium accounts over $500k a year may qualify for discounted rates. On Trustpilot it shows 4.1 from 748 reviews.

The limits for coaches are clear. The scheduler and automations are not on Starter; they start on Essentials. There is no coaching delivery: no programs, courses, habits, check-ins or community. Once the proposal is paid, the actual coaching happens somewhere else, which means a second subscription and a second login for your client.

Pick it over Coachful if you sell mostly fixed-scope advisory projects with formal proposals, deliver the work in meetings and documents rather than programs, and are happy for HoneyBook to process your payments.

3. FreshBooks: what if your accountant wants clean books?

FreshBooks fits the business coach who bills time as well as packages and wants invoicing that flows straight into accounting reports. It combines invoices, estimates, proposals, retainers, expense tracking, time tracking and accounting reports in one product.

As listed on the FreshBooks pricing page on 25 October 2026: Lite at $23/month for 5 billable clients, Plus at $43/month for 50 billable clients, Premium at $70/month for unlimited clients, and a Select plan at custom pricing. New customers were offered 80% off for the first four months, and FreshBooks notes that promotional offers do not include a free trial. Without the promotion, there is a 30-day free trial with no credit card required.

Watch the client count. FreshBooks says the limit covers both active and archived clients, so a coach on Lite who has finished with five past clients is already at the cap unless they delete records. Plus is where estimates, proposals and client retainers appear, which is the feature set a business coach actually wants.

Add-ons push the price up: team members at $11/month per user, Advanced Payments at $20/month (included on Select), and payroll from $40/month plus $6/month per user. FreshBooks Payments lists 2.9% + $0.30 per card transaction and 1% for ACH bank transfers; Stripe is also supported at 2.9% + $0.30. Select gets lower card rates.

For coaching delivery, FreshBooks offers nothing: no programs, no check-ins, no community. It is accounting software that invoices well. Many business coaches pair a coaching platform with an accounting tool, and FreshBooks is a reasonable second half of that pair if your accountant is comfortable with it.

Pick it over Coachful if most of your income is hourly consulting, you need time tracking and expense reports on the same screen as invoices, and your coaching delivery happens on calls rather than in a program.

4. Dubsado: can you automate every onboarding step?

Dubsado is for the coach who wants to design every step: a lead form triggers a proposal, the signed proposal triggers an invoice, the paid invoice triggers a welcome questionnaire. It is a client workflow CRM with forms, contracts, invoices, a scheduler and automated workflows.

Dubsado's homepage presenting its client workflow and invoicing CRM
Dubsado's homepage in October 2026.

The appeal for a business coach is control. If your onboarding has a precise order, with a pre-engagement questionnaire, a financial snapshot form and a kickoff booking, Dubsado can chain those together with conditions and delays.

Pricing as listed in October 2026: Starter at $35/month ($27.92/month annual) with unlimited clients and projects but only one active lead-capture form; Premier at $55/month ($43.75/month annual) with unlimited lead forms. The 21-day free trial gives full Premier access with no credit card required. Dubsado states no platform fee of its own; your processor's rates apply, and optional surcharging lets you pass card costs to the client, which some corporate clients accept and some individual owners resent.

The Starter plan has no scheduler and no automations, so the reason most people pick Dubsado only arrives on Premier. Dubsado itself says it does not build websites and is not an email marketing platform. The mobile app is a companion; full functionality needs the desktop web app. There are no courses, client community, habits or check-ins. Its Trustpilot page showed 3.7 from a single review, which tells you nothing either way.

Setup is the hidden cost: you build and test every workflow yourself.

Pick it over Coachful if your process is a long chain of forms and documents with conditional steps, you enjoy building that logic yourself, and you already have separate tools for your website, email list and program delivery.

5. Wave: is there a free option that still looks professional?

Wave is the pick for a new business coach with a handful of clients who wants proper invoices and basic bookkeeping without a monthly bill. The Starter plan is free and includes unlimited estimates, invoices, bills and bookkeeping records, plus a mobile app.

As listed on Wave's pricing page on 25 October 2026: Starter at $0, with online payments at 2.9% + $0.60 per card transaction and 3.4% + $0.60 for Amex. Pro is $19/month or $190/year, with a promotion at half price for the first three months. Pro adds automatic bank imports, transaction categorizing, unlimited receipt capture, automated late payment reminders and more user roles. On Pro, the first ten card transactions each month are charged 2.9% + $0 (3.4% for Amex), then the standard per-transaction fee returns. Wave Advisors, a done-for-you bookkeeping service, starts at $149/month.

Two details matter for coaches. First, late payment reminders are a Pro feature, and chasing a client who forgot an invoice is exactly the job you want to hand off. Second, each business is billed separately, so a coach who runs a coaching practice and a separate consultancy pays for Pro twice.

The $0.60 fixed fee per transaction on Starter adds up on small recurring charges, though for most business coaching retainers it is a minor slice. Wave has nothing for coaching itself: no client booking, agreements, programs or client portal for between-session work.

Wave works well as the accounting half of a two-tool setup: payouts from your coaching platform's Stripe account land in the bank, and Wave Pro imports and categorizes those deposits for the accountant.

Pick it over Coachful if you have two or three clients, bill them by hand each month, run sessions on a free video tool and are not yet ready to pay for any software at all.

6. CoachAccountable: does per-client pricing suit a small one-to-one roster?

CoachAccountable wins for a business coach with a small, intensive roster who runs engagements on action plans and tracked metrics. It is a coaching back office covering sessions, action plans, metrics, worksheets, courses, invoicing and agreements.

CoachAccountable's homepage presenting its coaching back-office software
CoachAccountable's homepage in October 2026.

The metrics feature is the reason business coaches look at it: you can have an owner report weekly revenue, leads or hours worked, and review the trend before each call. That pairs naturally with invoicing because the same record holds the engagement and the bill.

Pricing is per active client, as listed in October 2026: Starter $20/month for 2 active clients, Level 1 $40/month for 5, Level 2 $70/month for 10, Level 3 $120/month for 20, Level 4 $250/month for 50 and Level 5 $400/month for 100. There is a 30-day free trial with no credit card and no limits. Transaction fees are not stated on the pricing page; processor fees apply, and an older profile lists Stripe, Square and PayPal.

The pricing model is the main limit. A coach who adds a 20-person mastermind moves up two or three levels overnight, so group programs get expensive. Older profile notes also say it has no native mobile app and no landing pages, website or marketing automation, so your sales pages and email list live elsewhere. It shows 4.8 from 47 reviews on Trustpilot, the highest rating in this list.

Pick it over Coachful if you coach fewer than ten owners one-to-one, track hard numbers with each of them every week, and do not plan to sell group programs or run your own website and email from the same tool.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

7. Paperbell: is one flat price for solo admin enough?

Paperbell suits a solo business coach who sells packages of sessions and wants one price that covers booking, payments, contracts and a basic client portal. It is an all-in-one admin tool built for solo coaches, with a simple website included.

Paperbell's homepage presenting its all-in-one admin tool for solo coaches
Paperbell's homepage in October 2026.

As listed in October 2026, Paperbell has a single plan at $97/month ($80.83/month annual) with unlimited clients, sessions, files, packages and traffic. It says there are no additional transaction fees; Stripe and PayPal processor fees apply (older profile). A "Try For Free" button is on the pricing page without a stated length; its help center in July 2026 described a 7-day trial with the public site offline and client messages and SMS turned off. There is a 30-day money-back guarantee.

For billing, the package model maps well to "six sessions over three months, paid upfront or in instalments". It is less natural for a retainer with ongoing between-session work, because Paperbell has no courses, no community and no goal or habit tracking, according to an older profile. There is no native mobile app; clients use a mobile browser.

Its Trustpilot page showed 3.5 from 14 reviews. Because the price is per coach, adding an associate means a second plan.

Pick it over Coachful if you sell only session packages to individuals, need PayPal as a payment option, and want one flat price with no client cap while you deliver everything live on calls.

8. Practice Better: when does a wellness platform make sense for a business coach?

Practice Better makes sense only in a narrow case: you coach business owners in the wellness sector or run a hybrid practice, and you want a free tier while you have three clients. It is practice management built for wellness and nutrition practitioners, with scheduling, telehealth, charting, billing, programs and a client portal.

Practice Better's homepage presenting its practice management platform for wellness practitioners
Practice Better's homepage in October 2026.

Pricing as listed in October 2026: Sprout is $0 for 3 clients, 1 practitioner and 100 MB; Starter is $35/month ($25/month annual) for 10 clients; Professional is $69/month ($59/month annual) for 300 clients; Plus is $99/month ($89/month annual) for unlimited clients and 3 admins; Team is $155/month ($145/month annual) for 2 practitioners, up to 200 at $50 each. Trials run 30 days on Team and 14 days on other paid plans. Practice Better states no platform fee; Practice Better Payments is powered by Stripe, with rates not listed.

The fit problems for a business coach are real. Charting and telehealth are built for wellness practitioners, not for advising owners on pricing or hiring. Evergreen programs, portal branding, a custom URL and SMS only start on Plus at $99/month. An older profile notes no website builder or funnel pages. Below the Team plan, each account has one practitioner. It shows 3.8 from 87 reviews on Trustpilot.

The jump from 10 to 300 clients on Professional is generous if your roster grows quickly.

Pick it over Coachful if your clients are wellness practitioners whose own workflow you want to mirror, or you also deliver nutrition or health coaching that needs charting, and you are comfortable buying a website elsewhere.

9. Bonsai: what if you run consulting projects alongside coaching?

Bonsai is aimed at freelancers and agencies, and it wins for the business coach whose practice is half consulting: proposals, contracts, time tracking, projects and invoices in one tool.

Bonsai's homepage presenting its business management software for freelancers and agencies
Bonsai's homepage in October 2026.

Pricing as listed in October 2026, every plan per user: Basic $15/month ($9/month annual), Essentials $25/month ($19/month annual), Premium $39/month ($29/month annual) and Elite $59/month ($49/month annual) with a minimum of 3 users. The Basic plan has no invoicing or payments, so the real entry point for this article is Essentials. There is a 7-day trial with full access, and you choose a plan and enter card details at the end.

Fees need checking. The pricing page links fees to the help center, and we could not re-read that article this month. An older profile and help center describe Bonsai Payments at 2.9% + $0.30 for cards, 3.25% + $0.30 for Amex and 1% for ACH ($1 minimum), and say that using your own Stripe or PayPal where Bonsai Payments is available adds a 1% platform fee (1.35% for Amex). Confirm current rates before committing.

For coaching, Bonsai has no courses, community, client habits, check-ins or coaching programs. A custom domain was marked as expected in 2026. On Trustpilot it shows 4.3 from 641 reviews.

Per-user pricing is fine for a solo coach and adds up once an assistant and an associate coach join.

Pick it over Coachful if most of your revenue is project consulting billed against tracked hours and milestones, and coaching programs are a small side offer you deliver in meetings.

10. QuickBooks Online: should you invoice from your accountant's tool?

QuickBooks Online is Intuit's accounting software, and it wins one scenario: your accountant or bookkeeper already works in it and wants every invoice created there. Keeping invoicing inside the ledger means nothing needs reconciling.

We could not load Intuit's pricing page when we checked on 25 October 2026, so we are not quoting a price. Check the current plans and any payment processing rates directly with Intuit before you decide.

The case for invoicing from QuickBooks is accounting purity: invoices, payments and expenses sit in one set of books. The case against is everything a coach needs around the invoice. QuickBooks is not built for coaching: it has no client booking pages for discovery calls, no coaching agreements tied to a program, no between-session check-ins and no community. You would still run your coaching somewhere else and copy client details between systems.

The common middle path is to bill and deliver in your coaching platform, let payouts land in your business bank account, and have QuickBooks import and categorize them. That keeps your accountant happy without asking you to raise every retainer invoice by hand. Zapier is one route for passing payment events across if your accountant wants more detail.

Pick it over Coachful if your accountant insists that invoices originate in QuickBooks, you have few clients, and you deliver coaching entirely on calls with no program or portal.

11. Stripe Invoicing: is a bare invoice from Stripe enough?

Stripe Invoicing wins for the coach who sends the occasional one-off invoice and already has a Stripe account. You can create and email an invoice from the Stripe dashboard, and the client pays by card or another enabled method.

We did not verify Stripe's current Invoicing pricing for this article, so check its pricing page for whether invoices carry a charge on top of card fees.

For a business coach, the useful case is the company-paid add-on: a half-day workshop for a client's managers, billed to the company once. Stripe handles that fine. It does not handle anything else in the engagement. There are no booking pages for prospects, no coaching agreements, no programs and no client portal for between-session work, and every recurring retainer has to be set up as a Stripe subscription by hand.

Because Coachful runs payments through your own Stripe Connect account, a Coachful user already has a Stripe account, and Coachful lets you create manual invoices inside the coaching platform, attached to the client record. That makes a separate Stripe Invoicing habit less necessary.

Pick it over Coachful if you send fewer than a handful of invoices a year, have no programs to deliver, and want nothing more than a payable invoice link.

12. Xero: what about coaches outside the US?

Xero is a cloud accounting platform from New Zealand, widely used in the UK, Australia and New Zealand. It wins when you coach outside the US and your accountant runs your books, VAT or GST returns in Xero.

We did not verify Xero's current prices for this article; plans and prices also differ by country, so check the Xero page for your region.

The reasoning is the same as for QuickBooks. If your accountant works in Xero, raising invoices there keeps the ledger tidy. The price is that coaching admin lives elsewhere: Xero does not book discovery calls, collect signed coaching agreements, run a 12-week program or host a mastermind group.

Tax treatment of coaching services varies by country and by where your client is based. Coachful supports Stripe Tax for calculating tax at checkout, but whether you charge VAT, GST or sales tax on a given client is a question for an accountant, not your software.

Pick it over Coachful if your accountant requires Xero invoices for VAT or GST reporting, you have a small roster, and you are happy to run sessions and agreements in separate tools.

How do the 12 tools compare feature by feature?

Coachful is the only tool here that covers invoicing, agreements, booking and program delivery together; the rest cover one or two of those jobs. "Not checked" means the feature was not in the vendor information we reviewed.

What does each tool cost at 5, 15 and 40 clients?

At 40 clients, per-client pricing becomes the expensive option and flat pricing wins. These are monthly list prices as of October 2026 for the cheapest plan that covers the client count and includes invoicing; card processing is extra everywhere.

The single-tool numbers hide the real comparison. HoneyBook, FreshBooks, Dubsado, Wave and Bonsai cover billing but not delivery, so a business coach running programs adds a course or community tool on top. That is where the stacks below come in.

What do three realistic invoicing stacks cost per month?

A business coach with about 15 clients usually ends up with one of three setups. The figures are list prices for October 2026, before card processing, for an example practice; your plan choices may differ.

StackWhat it coversMonthly software costWhat is still missing
Coachful aloneBooking, agreements, retainers, payment plans, invoices, programs, community, website, emailSolo: $49/month for up to 20 clientsAn accounting ledger for your accountant; Wave Starter lists a $0 plan for that
HoneyBook Essentials + Wave ProProposals, contracts, invoices, scheduler, bookkeeping with bank imports$59 + $19 = $78Program delivery, check-ins, courses, a group space, a website with funnels
FreshBooks Plus + PaperbellAccounting and invoices, plus booking, packages, contracts and a simple site$43 + $97 = $140Courses, community, habits and goal tracking; two logins for you, two for clients

Stack two looks cheap until you price the tool that delivers the program and hosts the mastermind. Stack three is two subscriptions that both send invoices, which is how duplicate or missing invoices happen. For a fuller picture of the rest of the stack, see every piece of software an online coaching business needs and our business coaching software comparison.

How does a business coach set up invoicing in Coachful, step by step?

The setup takes one sitting if you follow the order the client experiences it: offer, agreement, booking, payment, delivery. Here is how a business coach selling a monthly advisory retainer and a 12-week accelerator might do it.

  1. Connect Stripe. Link your own Stripe Connect account (or Razorpay). Turn on Stripe Tax if your accountant confirms you need to charge tax; Apple Pay and Google Pay are available for clients who prefer them.
  2. Create the retainer offer. Set it as a subscription so the card is charged each month and an invoice is issued per transaction. Add a coupon if you give founding clients a rate, and an order bump such as a recorded strategy session.
  3. Create the accelerator as a payment plan. Choose upfront or a fixed number of instalments. Attach the 12-week program so enrollment happens on payment, and a cohort group is created automatically for that intake.
  4. Add the coaching agreement. Add your coaching agreement and send it for e-signature before the first call. It is stored on the client record next to their payments. Our coaching contracts page explains what to include.
  5. Build the booking page. Set availability, buffers and minimum notice, and add intake questions such as annual revenue, team size and the main constraint. Connect Google, Apple or Outlook calendar and choose built-in video or an auto-created Zoom, Meet or Teams link.
  6. Put an application funnel in front of the accelerator. Use a funnel template or ask the white-glove team to build the application page and sales page for you.
  7. Handle company-paid work with manual invoices. When a client's company pays for a leadership workshop, raise a separate manual invoice for that work.
  8. Set up the onboarding sequence. Write a short email sequence that triggers on purchase: welcome, what to prepare for the first call, how to use the client app.
  9. Review weekly. Check client statuses for anyone going quiet before a renewal, and let Michelle brief you before each session.

Which invoicing mistakes cost business coaches the most?

The expensive mistakes are structural, not cosmetic: billing before the agreement is signed, picking a pricing model that punishes growth, and running two tools that both think they own the invoice.

  • Taking payment before the agreement. If a client disputes a charge, a signed agreement with your cancellation terms is your best evidence. Send it before the first payment or at least before the first call.
  • Choosing per-client pricing and then launching a mastermind. At 40 clients, CoachAccountable's listed price is $250 a month. Model your next-year roster, not today's.
  • Invoicing manually for retainers. A monthly invoice you send by hand is a monthly invoice you will eventually forget. Use subscriptions.
  • Letting the processor choose you. HoneyBook requires its own processing, and Bonsai has reportedly charged an extra fee for outside processors. Know which fees sit on top of card rates.
  • Skipping the accountant conversation. Ask how they want payment data before you choose a tool. Many are content with bank deposits imported into their own software.
  • Ignoring corporate payment preferences. Some companies pay only by bank transfer against an invoice. Confirm how your larger clients pay before you commit to card-first billing.

What is our verdict on invoicing software for business coaches?

Coachful is the best invoicing software for business coaches who sell retainers and programs, because the invoice is connected to the agreement, the sessions and the work the client does between calls, with 0% Coachful platform fees and a team that will build your offers for you. Choose HoneyBook for proposal-heavy project work, FreshBooks or Wave if accounting comes first, Dubsado if you want to engineer every workflow step, and CoachAccountable for a small one-to-one roster run on metrics. QuickBooks Online and Xero belong in your stack as the ledger your accountant reads, not as the place you run your coaching. For the wider buying decision, our buying guide to coaching software for business coaches goes beyond billing.

Frequently asked questions

What is the best invoicing software for business coaches?

Coachful is our pick because it handles retainers, payment plans, manual invoices and coaching agreements in the same place you deliver programs and run sessions. If you only need accounting-grade invoices, FreshBooks or Wave are solid. If you sell proposal-led projects, HoneyBook is the strongest of the CRMs here.

Can I bill monthly retainers automatically?

Yes, in most of these tools. In Coachful you sell the retainer as a subscription through your own Stripe or Razorpay account, and each charge produces an invoice. Check that your tool stops or pauses the subscription cleanly when an engagement ends.

How do I invoice a company instead of the individual I coach?

Send a separate invoice addressed to the company, and ask their finance team which details they need, such as a purchase order number. Coachful supports manual invoices alongside its automatic per-transaction invoices. Keep the agreement with whoever is contractually responsible for payment.

Do I still need accounting software if I use Coachful?

Most coaches keep an accounting tool or an accountant for their books. Coachful handles billing and delivery; a tool such as Wave, FreshBooks, QuickBooks Online or Xero keeps the ledger. Ask your accountant which one they prefer.

Does Coachful take a cut of my payments?

No. Since August 2026 the Coachful platform fee is 0%, so you pay only Stripe or Razorpay processing on top of your membership. Your plan covers the software; the processor's own rates still apply.

What is Coachful's free white-glove service?

From Create, choose "We'll build it for you · FREE" and describe what you need, such as a sales page for your retainer, an application funnel or a 12-week program. Attach up to 8 links and 10 files, and the Coachful team builds it in your account, usually within about 24 hours. It does not include video recording, logo design, ads or ongoing marketing.

Can clients pay by PayPal?

Not in Coachful, which does not support PayPal. Paperbell and CoachAccountable list PayPal in older profiles, and Bonsai has supported it with an added fee. If a key corporate client insists on PayPal, factor that in.

How should I handle sales tax or VAT on coaching invoices?

It depends on where you and your client are, so ask an accountant. Coachful supports Stripe Tax for calculation at checkout, and the IRS publishes guidance on keeping records for US businesses. Software calculates tax; it does not decide whether you owe it.

Is per-client pricing a bad idea for business coaches?

Not for a small one-to-one roster, where it can be cheapest. It becomes costly when you add group programs or masterminds, because every participant counts. Price your expected roster a year from now before choosing.

Can I move my existing clients into Coachful?

Yes. Clients, programs and content are imported for you during onboarding. You can also export all client data as a ZIP later, so you are not locked in.
