Best Invoicing Software for Fitness Coaches: 5 Picks, Ranked

Best Invoicing Software for Fitness Coaches: 5 Picks, Ranked

The best invoicing software for fitness coaches is the tool that bills the way trainers actually sell: monthly online coaching on autopay, ten-session packs for the gym floor, a payment plan for a 12-week transformation and the odd one-off challenge fee. A generic invoice generator can send a PDF, but it cannot tell you that a client paid for ten sessions and has used seven, or that their card failed on the same week they stopped logging workouts. So the deciding question is simple: do you want an invoicing tool, or a place where billing sits next to the training you deliver?

We make Coachful, and it is our pick at number one for that reason. Coachful bills through your own Stripe or Razorpay account with a 0% platform fee, creates an invoice for every transaction, lets you send manual invoices, and connects each payment to the client's program, workout logs, check-ins and sessions in one login. Below we rank five tools with prices as listed in October 2026, show what each costs at 5, 15 and 40 clients, and walk through a complete setup for a hybrid trainer. For the wider category across all coaching niches, see our buyer's guide to invoicing software for coaches.

What do fitness coaches need from invoicing software?

Fitness coaches need recurring billing that survives failed cards, session-pack tracking, payment plans for fixed-length programs, and a clean record for tax time. The rest is nice to have. Here is how those needs show up in a typical trainer's week.

  • Monthly online coaching on autopay. Most remote trainers sell a monthly subscription that covers a training plan, weekly check-ins and messaging. The software has to charge the card automatically, issue a receipt or invoice each cycle, and make it obvious when a renewal fails so you can follow up before the client drifts.
  • Session packs and credits. In-person and hybrid trainers sell blocks of sessions. Invoicing a pack is easy; tracking how many sessions remain is where spreadsheets creep in. Session credits tied to your booking page remove that bookkeeping.
  • Payment plans for transformation programs. A 12-week program is often sold in three or four instalments. You want the plan to stop charging when it is paid off, not roll into an accidental subscription.
  • Coupons and launch pricing. January intakes, summer shred challenges and referral discounts all need codes that apply cleanly to a checkout and show up correctly on the invoice.
  • Agreements before the first session. Cancellation windows, late-arrival rules, refund terms and an acknowledgment that coaching is not medical care belong in a signed agreement, stored with the client's payments.
  • Sales tax on digital programs. Selling a downloadable program or online coaching across borders can create tax obligations that depend on where the buyer lives. Built-in tax calculation helps, but rules vary, so check with an accountant.
  • Delivery in the same place. Payment status matters most next to adherence data. A client who has stopped logging workouts and whose card just failed is a churn risk; seeing both in one screen changes how you coach the next call.

One scope note before any software decision. Fitness coaching is not medical treatment. Your intake should screen for red flags such as chest pain on exertion, fainting or dizziness, recent surgery, uncontrolled blood pressure, pregnancy complications or signs of disordered eating, and those clients need clearance from a doctor before you program for them. None of the tools below are clinical record systems for that purpose, and Coachful is not HIPAA-certified.

Recordkeeping is the other non-negotiable. The IRS expects self-employed people to keep records that support income and expenses on their return (IRS recordkeeping guidance), and UK sole traders have specific details every invoice must include (GOV.UK invoicing rules). Any tool you choose should export a clean payment history.

Which invoicing tools for fitness coaches compare at a glance?

Ranked on one login for the whole client journey, between-session delivery, total stack cost, and setup effort (including Coachful's free white-glove build):

5. BonsaiTrainers who also freelance (content, consulting) and track time$25/mo per user (Essentials, first plan with invoicing)No

How did we choose and rank these tools?

We started from what fitness coaches bill for and kept only tools that can handle recurring charges, one-off payments and contracts without a third app. We did not run hands-on tests; every claim below comes from what each vendor documents on its site and pricing page as listed in October 2026, plus publicly visible review scores.

The ranking rewards four things in this order:

  1. One login for the client journey. Booking, paying, signing, training and checking in in one place, so payment status and adherence sit together.
  2. Between-session delivery. Workouts, habits and check-ins that keep a client engaged between calls are what justify a monthly fee.
  3. Total stack cost. The invoice tool's sticker price plus the training app, booking tool and course platform you would still need beside it.
  4. Setup effort. How many hours stand between signing up and sending the first invoice.

Tools built mainly for photographers, agencies or clinics can still invoice well, so they appear here, but they lose points for leaving training delivery to another app. If you want the broader view of training platforms, our fitness coaching software comparison covers that side.

1. Coachful: invoicing that lives next to the training

Coachful's offers page on a laptop and the client coaching hub on a phone beside a kettlebell
Coachful's demo offers page on the laptop and a client's coaching hub on the phone, set beside a kettlebell and resistance bands.

Coachful is a coaching platform where invoicing is one part of a single subscription that also covers booking, contracts, programs, courses, community, a website with funnels and email, and an AI assistant. For a fitness coach, that means the invoice for a 12-week program sits on the same client record as the program itself, the workout logs, the weekly check-in and the next session.

How billing works inside Coachful

Payments run through your own Stripe Connect or Razorpay account. Coachful charges a 0% platform fee (since August 2026), so the only deduction is the processor's fee. You can sell:

  • one-time payments, such as a six-week challenge or a downloadable program;
  • subscriptions, for monthly online coaching;
  • payment plans, for fixed-length transformation programs;
  • paid sessions and session credits, for in-person packs booked through your booking page;
  • order bumps and coupons at checkout, for add-ons like a nutrition guide or a launch discount.

Every transaction generates an invoice, and you can create manual invoices for anything off-platform, such as a corporate bootcamp billed to an employer. Refunds, Apple Pay and Google Pay, and Stripe Tax are supported. All of this is included in your Coachful membership.

Coachful Offers page with live offer cards and cover photos
The demo Offers page in Coachful, with live offers such as a 90-Day Transformation shown as cards.

Offers are where you package what you sell. A trainer might run three: monthly online coaching, a 10-session in-person pack and a 12-week transformation on a payment plan. When a client enrolls in a program, Coachful creates a cohort group automatically, so clients on the same program share a community space.

Here is a short walkthrough of the invoices view:

Contracts before the first rep

Coaching agreements with e-signature go out before the first call and are stored on the client record. That is the right place for your cancellation window, no-show rule and refund terms, and for a line that coaching is not medical care. Intake questions can be attached to the booking itself, so readiness questions arrive before the session starts. Our coaching contracts page covers how agreements work.

What the Fitness & Nutrition pack adds

The Fitness & Nutrition pack is what turns the invoice into a delivered service. It includes a workout builder with an exercise library of illustrated exercises (supersets, circuits, AMRAP, EMOM, intervals, tempo), client workout logging with set history and PRs, nutrition targets up to calories and macros, meal plans, recipes, food lookup and barcode scanning, private progress photos and measurements, weekly check-ins, private form-check video with timestamped coach comments, and challenges. You attach your own demo videos to exercises.

The client record then shows payments, sessions, goals, check-ins, habits and notes together, with a status of thriving, active, quiet or at risk. Payment history sits next to the client's logged workouts and check-ins instead of in a separate billing tool.

Where Coachful falls short for trainers

  • No PayPal. If many of your clients pay through PayPal today, they will need to switch to card, Apple Pay or Google Pay.
  • No Garmin, Fitbit, Whoop or Oura sync, and Apple Health sync is not publicly available. Clients log workouts in the app.
  • No stock exercise videos; you record and attach your own demos.
  • Not HIPAA-certified, so clinical records do not belong here.
  • The client app ships under the Coachful listing with your branding, not under your own App Store account.
  • No permanent free plan. There is a free trial, and lower plans cap the number of clients (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients).

Why Coachful stands out: a free white-glove service. On every plan, you can open Create and choose "We'll build it for you · FREE", describe what you need, attach up to 8 reference links and up to 10 files, and the Coachful team builds it inside your account, usually within about 24 hours. For a trainer that could be the 12-week program outline, a sales page for your online coaching, a challenge funnel or a welcome email sequence. Nothing is invented: no fake testimonials, credentials or prices; gaps are left for you to fill. It does not cover filming your exercise demos, logo design or running ads. Read more in our white-glove service guide.

2. HoneyBook: polished proposals for corporate and event work

HoneyBook homepage introducing its client management platform for service businesses
HoneyBook's homepage in October 2026.

HoneyBook is a client-management CRM for service businesses, with proposals, contracts, invoices, a scheduler and a client portal. Fitness coaches who earn a meaningful share of income from corporate wellness days, workplace bootcamps or event bookings will appreciate its proposal flow: the client reviews the scope, signs and pays in one sequence.

Pricing as listed in October 2026:

  • Starter: $29/mo billed annually; the monthly figure was not shown on the page we reviewed (an earlier profile recorded $36 monthly after the February 2025 price rise). Unlimited clients and projects, 2 live lead forms.
  • Essentials: $59/mo, or $49/mo billed annually. Up to 2 team members, 10 lead forms.
  • Premium: $129/mo, or $109/mo billed annually. Unlimited team members and lead forms, multiple companies.

The trial is 30 days with no credit card required, according to the pricing page FAQ.

HoneyBook pricing page with Starter, Essentials and Premium plans
HoneyBook's pricing page in October 2026.

Payment processing is where trainers should read carefully. HoneyBook is the processor, so you cannot bring your own Stripe account. Its FAQ lists card fees of 2.7% + 10¢, while its plan comparison shows 2.9% + 25¢; the page conflicts, so confirm the rate before you migrate a roster of monthly clients. ACH is 1.5%, and instant deposit costs 1%.

The bigger gap for a fitness business is delivery. HoneyBook has no programs, workouts, habits, check-ins, courses or community, so you would still pay for a training app. The scheduler and automations are not on Starter, which pushes most trainers who book sessions to Essentials. HoneyBook does not document session credits tied to bookings, so for a 10-pack you would likely track remaining sessions yourself. HoneyBook holds a Trustpilot score of 4.1 from 748 reviews (seen October 2026).

Pick it over Coachful if most of your revenue comes from proposals to companies or event organisers, you want HoneyBook to handle processing, and you already have a training app you are happy to pay for separately.

3. Dubsado: workflow automation for form-heavy onboarding

Dubsado homepage introducing its client workflow and business management software
Dubsado's homepage in October 2026.

Some trainers live by their onboarding sequence: questionnaire, agreement, invoice, welcome packet, reminder. Dubsado is built for exactly that. It is a client workflow CRM with forms, contracts, invoices, a scheduler and automated workflows that move a client from one step to the next.

Plans as listed in October 2026 are short and clear. Starter costs $35/mo ($27.92/mo billed annually) with unlimited clients and projects and 1 active lead-capture form. Premier costs $55/mo ($43.75/mo billed annually) with unlimited lead forms. A 21-day trial includes full Premier access without a credit card.

Two details matter for a fitness coach. First, the Starter plan has no scheduler or automations, which are the reasons most people choose Dubsado, so budget for Premier if you book sessions through it. Second, Dubsado states no platform fee of its own; processor rates apply, and optional surcharging lets you pass card costs to the client. Check local rules before surcharging, since card surcharges are restricted in some places.

Dubsado says it does not include website building and is not an email marketing platform. Its mobile app is a companion, with full functionality on the desktop web app, which matters if you run your business from your phone between sessions on the gym floor. There are no courses, client community, habits or check-ins, so programming and accountability stay in another tool. Session packs can be invoiced, but tracking how many sessions a client has left is a manual job.

Where Dubsado earns its place is the depth of its forms. A trainer who wants a long readiness questionnaire, a branching onboarding sequence and conditional emails can build it all in one place, then hand delivery to a separate training app.

Pick it over Coachful if you want a highly customised paperwork workflow, you work mainly from a desktop, and you already pay for a training app and email tool that you do not plan to replace.

4. Practice Better: when nutrition consults are half the business

Practice Better homepage introducing its practice management platform for wellness practitioners
Practice Better's homepage in October 2026.

Practice Better is practice management for wellness and nutrition practitioners, covering scheduling, telehealth, charting, billing, programs and a client portal. A fitness coach who also works with dietitians, or who runs structured nutrition consults alongside training, will find its charting and session-note tools closer to a clinic workflow than anything else on this list.

Pricing as listed in October 2026 is tiered by client count:

  • Sprout: $0/mo, 3 clients, 1 practitioner, 100 MB.
  • Starter: $35/mo ($25/mo billed annually), 10 clients, 1 GB.
  • Professional: $69/mo ($59/mo billed annually), 300 clients, 5 GB.
  • Plus: $99/mo ($89/mo billed annually), unlimited clients, 3 admins, unlimited storage.
  • Team: $155/mo ($145/mo billed annually), 2 practitioners (up to 200 at +$50 each), unlimited admins.
Practice Better pricing page with Sprout, Starter, Professional, Plus and Team plans
Practice Better's pricing page in October 2026.

Trials run 30 days on Team and 14 days on other paid plans, with no contracts. Payments are powered by Stripe through Practice Better Payments; no platform fee is stated, and processing rates are not listed on the pricing page.

The limits show up when you grow the training side. Evergreen programs, portal branding, a custom URL and SMS start on Plus, so the plan that looks right for 15 clients may not include the features a trainer selling self-paced programs wants. Below Team, an account has one practitioner. Practice Better has no website builder or funnel pages according to its earlier profile, so you would still need somewhere to sell a challenge or capture leads. It is also designed around practitioner sessions rather than workout logging with set history and PRs. Practice Better holds a Trustpilot score of 3.8 from 87 reviews (seen October 2026). If you are weighing it against other options, our Practice Better alternatives for fitness coaches goes deeper.

Pick it over Coachful if clinical-style charting and nutrition consult notes are central to your work, you have three or fewer clients and want the free Sprout plan, or you work alongside licensed practitioners who need that workflow.

5. Bonsai: for trainers who also freelance

Bonsai homepage introducing its business management software for freelancers and agencies
Bonsai's homepage in October 2026.

Plenty of fitness coaches have a second income line: writing programs for a gym chain, creating content for a supplement brand, consulting for a studio. Bonsai was built for freelancers and agencies, with proposals, contracts, invoices, time tracking and projects, and it handles that kind of hourly or project work well.

Bonsai prices per user on every plan, as listed in October 2026:

  • Basic: $15/mo ($9/mo billed annually), with no invoicing or payments.
  • Essentials: $25/mo ($19/mo billed annually).
  • Premium: $39/mo ($29/mo billed annually).
  • Elite: $59/mo ($49/mo billed annually), minimum 3 users.

The trial gives 7 days of full access, and a card is not needed to start. Because Basic lacks invoicing, Essentials is the realistic floor for a trainer.

Fee details need a caveat. The pricing page links fees out to the help center, which we could not re-read in October 2026. An earlier profile recorded Bonsai Payments at 2.9% + $0.30 for cards, 3.25% + $0.30 for Amex and 1% for ACH ($1 minimum), plus a 1% platform fee (1.35% for Amex) when you use your own Stripe or PayPal where Bonsai Payments is available. Treat those figures as unconfirmed and check the current rate before you commit.

For the training itself, Bonsai offers nothing: no courses, community, habits, check-ins or coaching programs. Its custom domain feature is marked as expected in 2026 rather than released. Bonsai does not document booking-linked session credits either. Bonsai holds a Trustpilot score of 4.3 from 641 reviews (seen October 2026).

Pick it over Coachful if most of your invoicing is hourly or project work for businesses rather than coaching clients, and you need time tracking more than training delivery.

Which features does each tool include?

This matrix covers the billing and delivery features fitness coaches ask about most. "Not documented" means we found no mention of it in the vendor material we reviewed, not that it is impossible.

The pattern is clear. Every tool can send an invoice. Only one connects the invoice to the workout the client logged this morning.

What does each tool cost at 5, 15 and 40 clients?

Monthly list prices as listed in October 2026, one coach, before payment processing. Where a tool's useful features sit on a higher plan, we price that plan and say why.

Tool5 clients15 clients40 clientsNote

Bonsai$25/mo (Essentials)$25/mo$25/moPer user; no booking credits or training tools

The sticker price is only half the comparison. With HoneyBook, Dubsado or Bonsai you still need a workout app, often a booking tool, and somewhere to host a challenge or course. Add those to the row before deciding. Our guide to payment platforms for online fitness coaches breaks down processing costs if fees are your main concern.

How does a fitness coach set up invoicing in Coachful, step by step?

Here is an illustrative setup for a hybrid trainer who sells monthly online coaching, a 10-session in-person pack and a 12-week transformation program. Prices are yours to set; a common approach is to start from your hourly in-person rate, decide how many coaching touchpoints a month includes, and price the online tier so your effective hourly rate holds.

Coachful's session calendar and a client's program view on two screens in a training studio
Coachful's demo session calendar beside the client's Programs view, on a desk in a training studio.
  1. Connect payments. Link your own Stripe Connect account (or Razorpay). Turn on Stripe Tax if you sell digital programs across regions, and confirm your obligations with an accountant.
  2. Write the agreement. Draft your coaching agreement with cancellation window, no-show rule, refund terms, a pause policy for injuries and a statement that coaching is not medical care. Set it to go out for e-signature before the first call.
  3. Add intake questions to booking. Include readiness questions that flag clients who need a doctor's clearance. Keep the questions short and avoid collecting clinical records.
  4. Build the program. Use the workout builder to create the 12-week transformation with weekly goals, daily tasks and habits, plus weekly check-ins with progress photos and measurements. Attach your own exercise demo videos.
  5. Create three offers. A subscription for monthly online coaching, session credits for the 10-pack linked to your in-person session type, and a payment plan for the 12-week program linked to the program you built.
  6. Set the booking page. Add availability rules, buffers between sessions and minimum notice, sync your Google, Apple or Outlook calendar, and turn on reminders so pack clients do not miss sessions.
  7. Add a launch coupon. Create a code for your next intake and an order bump for a nutrition guide at checkout.
  8. Handle the outliers. Send a manual invoice for a corporate bootcamp or a studio that pays by transfer, so every payment sits in the same invoice list.
  9. Review weekly. Open the client dashboard, look for clients marked quiet or at risk, and check their payments beside their logging. Export your data as a ZIP at year end for your accountant.

If you would rather not build the program or sales page yourself, request it through the free white-glove service and edit what comes back. For automating the billing side further, see how to automate client billing and invoicing.

What invoicing mistakes do fitness coaches make?

The common mistakes are about tracking and policy rather than software. Each of these costs trainers money or clients.

  • Tracking session packs in your head. When a client disputes whether they have two sessions left or three, you need a record. Use session credits tied to bookings instead of a notes app.
  • Mixing payment rails. Some clients on PayPal, some on bank transfer, some on card makes reconciliation painful. Pick one processor and move everyone over at renewal.
  • No written pause policy. Injuries, holidays and life events will happen. Decide in the agreement whether a paused month is frozen, credited or refunded.
  • Letting failed renewals slide. A failed card is often the first sign a client is drifting. Check payment status alongside adherence each week.
  • Payment plans that never stop. Selling a 12-week program as an open-ended subscription leads to surprise charges and chargebacks. Use a payment plan with a fixed number of instalments.
  • Storing health details in a billing CRM. Keep screening light, refer red flags to a doctor and keep clinical information in a clinical system.
  • Ignoring tax on digital programs. Rules differ by country and state; the IRS self-employed tax center is a starting point for US coaches, and an accountant should confirm the rest.
  • Paying for three tools to do one job. An invoicing CRM, a training app and a booking tool add up. Price the full stack before choosing.

Which invoicing software should a fitness coach choose?

Choose Coachful if you sell programs, packs or monthly coaching and want billing, booking, workouts and check-ins in one login. It is the only tool here that ties each invoice to the training the client receives, with a 0% platform fee and a free white-glove build to get the program and sales page ready.

HoneyBook suits trainers whose income leans on corporate proposals. Dubsado fits form-heavy onboarding when you already have a training app. Practice Better is the pick for coaches whose work is half nutrition consults with a clinic-style workflow. Bonsai makes sense when most of your invoicing is freelance project work rather than coaching.

Frequently asked questions

What is the best invoicing software for fitness coaches?

For trainers who sell monthly coaching, session packs or fixed-length programs, Coachful ranks first because invoices sit next to workouts, check-ins and bookings in one login. HoneyBook and Dubsado are strong invoicing CRMs but need a separate training app. Practice Better suits coaches with a nutrition-consult workflow.

Can I bill session packs and track remaining sessions?

In Coachful, you can sell session credits that clients redeem through your booking page, so the remaining balance is tracked for you. HoneyBook, Dubsado and Bonsai can invoice a pack, but none of them document booking-linked session credits, so expect to track the balance yourself.

Does Coachful take a cut of my payments?

No. Coachful has charged a 0% platform fee since August 2026. You pay only the processing fee of your own Stripe or Razorpay account.

Can clients pay me through PayPal?

Not in Coachful, which supports Stripe and Razorpay with cards, Apple Pay and Google Pay. If PayPal matters to your clients, check each vendor's current processor list; HoneyBook, for example, requires its own processing.

What is Coachful's free white-glove service?

It is a build service included on every plan. You describe what you need, such as a 12-week program outline, a challenge funnel or a sales page, attach links and files, and the Coachful team builds it in your account, usually within about 24 hours. It does not include filming videos, logo design or ad management.

Do I need a separate app for workouts if I use an invoicing CRM?

With HoneyBook, Dubsado or Bonsai, yes, since none of them include workout programming or logging. Coachful's Fitness & Nutrition pack includes a workout builder, client logging with PRs, nutrition targets and progress photos.

Should I charge sales tax on online coaching?

It depends on where you and your clients are and what you sell, especially for digital programs. Tools like Stripe Tax can calculate it, but check with an accountant for your situation.

How should I handle a client who gets injured mid-subscription?

Put a pause policy in your signed agreement before it happens, stating whether you freeze, credit or refund. Refer the client to a medical professional for the injury itself; coaching is not treatment.

Is any of these tools HIPAA-compliant for health screening?

Coachful is not HIPAA-certified and does not sign a BAA. Keep intake screening light, refer red flags to a doctor, and store clinical records in a clinical system.

How do I start with Coachful?

Start a free trial, connect Stripe or Razorpay, and request a white-glove build of your program or website if you want help. Your clients, programs and content can be imported for you during onboarding.
