Best Invoicing Software for Health Coaches: 10 Options Ranked

Best Invoicing Software for Health Coaches: 10 Options Ranked

The best invoicing software for health coaches does more than send a bill. It can sell a 12-week program as a single payment or a payment plan, have the client sign the coaching agreement before the first call, keep billing for monthly accountability, and show you which clients have stopped logging check-ins before they cancel. A tool that only sends invoices covers one step of that and leaves you to stitch the rest together.

Our pick is Coachful, and we should say up front that we make Coachful. We rank it first because it handles the payment side (Stripe Connect or Razorpay, subscriptions, payment plans, invoices, refunds) and also delivers what the client is paying for: habits, morning and evening check-ins, programs and a branded client app, all behind one login. Below are nine more options, from client CRMs to plain accounting tools, with prices as each vendor listed them in October 2026 and an honest note on when each one beats us.

What do health coaches need from invoicing software?

Health coaches mostly sell outcomes over time, not single hours, so the software has to bill packages, payment plans and memberships, not just one-off sessions. The second need is less obvious. Health coaching sits next to healthcare, and your billing setup should make that line clear instead of blurring it.

Some patterns are specific to this niche:

  • Programs, not hours. A gut reset, a hormone-balance program or a 90-day habit plan is usually sold as one price, split into payments or followed by a monthly maintenance tier.
  • Payment plans are normal. Clients often want to spread a program across three or four months. Your tool should collect those payments automatically and stop access cleanly if a payment fails, so you aren't chasing card declines by email.
  • Between-session work is the product. Food logs, habit streaks and weekly check-ins are where change happens. If the invoicing tool knows nothing about delivery, you can't see the link between engagement and renewals.
  • Scope matters. Health coaching supports behavior change; it is not diagnosis or treatment. Your agreement, intake questions and invoice wording should say so. When a client reports symptoms, medication questions or signs of disordered eating, refer them to a doctor, registered dietitian or mental health professional.
  • Insurance and clinical records are a separate world. If you bill insurance or keep clinical records as part of a licensed practice, HIPAA rules may apply to you. The U.S. Department of Health and Human Services explains who counts as a covered entity. Most coaching-only practices don't bill insurance, but if yours does, use a clinical system for that part.
  • Clean records at tax time. The IRS sets out which records a small business should keep. Your invoicing tool should export transactions without trouble. Rules vary by country and state, so check with an accountant.

What does each stage of a health coaching client journey need?

Every stage of the client journey has its own billing job: attract and enroll create the first charge, deliver justifies it, and retain renews it. Splitting those stages across disconnected tools is where most health coaches lose time and revenue.

Attract

Prospects find you through a website, a lead magnet such as a seven-day hydration challenge, or social posts. Billing barely shows up yet, but the checkout page someone eventually lands on should look like your brand, not a generic payment form. Tools that include a website and funnels let one link carry a stranger from a free guide to a paid program.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

Enroll

This is where invoicing tools are usually judged: a booking page for the discovery call, intake questions, a signed coaching agreement, then payment in full or a plan. For health coaches the intake step carries extra weight because it is where you screen for red flags that need medical clearance. Our guide to intake form software for health coaches covers that step in depth.

Deliver

During the program, clients pay for structure: weekly goals, daily habits, check-ins, recipes or meal ideas, and your feedback. Most invoicing tools stop at the client portal, so you pay for a second app to deliver the coaching. That second app is the real cost of a "cheap" invoicing tool.

Retain

Renewals come from visible progress. A tool that can show a client their streaks and goal progress, and show you who has gone quiet, gives you a reason to offer a maintenance subscription at the right time. Recurring billing and automated payment reminders do the rest.

Ranking criteria in one line: one login for the whole client journey, between-session delivery for habit change, total monthly stack cost, and setup effort (including whether someone will build it for you).

How did we choose and rank these tools?

We started from what health coaches actually bill (programs, payment plans and memberships) and asked how much of the journey each tool covers once the invoice is paid. We did not run hands-on tests of each product. Prices and limits come from each vendor's own pricing page as listed in October 2026, and ratings come from Trustpilot as seen in late October 2026.

  • Billing depth: one-time charges, subscriptions, payment plans, coupons, refunds and manual invoices.
  • Enrollment: booking, intake questions and a signed agreement before the first session.
  • Delivery: habits, check-ins and programs, which matter more in health coaching than in most niches.
  • Cost at your size: per-client and per-user pricing can triple your bill as you grow, so we priced each tool at 5, 15 and 40 clients.
  • Setup effort: how long it takes to go live, and whether the vendor will do the build.

Coaching-specific platforms that compete with us directly sit in the middle of the list. Accounting tools sit lower because they handle the money well but nothing else a health coach sells.

1. Coachful: billing and habit-change delivery in one place

A laptop showing coaching program offers and a tablet showing a client's program progress on a kitchen counter
Coachful's Offers page on a laptop and a client's My Coaching progress view on a tablet, both with demo data.

Coachful is a coaching platform where payments, booking, agreements, programs, habits, check-ins, courses, community, a website with funnels and email, and an AI assistant share one subscription and one login. Clients get one branded app. For a health coach, the practical result is that the invoice and the work the invoice pays for live on the same client record.

How payments work

Payments run through your own Stripe Connect or Razorpay account, so money lands with you and Coachful charges a 0% platform fee (in place since August 2026). You pay only Stripe or Razorpay processing. Inside that, you can sell one-time programs, subscriptions and payment plans, add order bumps, issue coupons and refunds, accept Apple Pay and Google Pay, and turn on Stripe Tax for sales tax or VAT. Every transaction creates an invoice, and you can raise manual invoices too, which is useful when a workplace wellness client wants a bill for a lunch-and-learn.

Coachful's Payments tab with two demo invoices for a 30-Day Transformation Program.

A health coach would typically build three offers: a discovery call (free or paid), a core program with pay-in-full and payment-plan options, and a monthly maintenance membership for graduates. Paid sessions and session credits cover one-off follow-ups.

Here is a short walkthrough of invoices inside Coachful:

Enrollment, agreements and intake

Booking pages handle availability rules, buffers, minimum notice and time-zone detection, with two-way Google, Apple and Outlook calendar sync and built-in video or auto-created Zoom, Meet or Teams links. You can ask intake questions at booking, which is where a health coach screens for medications, diagnosed conditions and anything that needs a doctor's sign-off. The coaching agreement goes out for e-signature before the first call and is stored on the client record, so your scope statement ("coaching is not medical care") is signed before the first invoice is paid. Our coaching contracts page shows how that works.

Delivery that justifies the invoice

This is where Coachful differs most from the rest of the list. Multi-week programs carry weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. The client record pulls together goals, check-ins, habits, notes, intake answers, tags, payments and sessions, and marks each client as thriving, active, quiet or at risk. A client who has gone quiet in week five is the one whose payment plan is at risk, and you can see it before the card fails.

For health coaches who also handle food and movement, the Fitness & Nutrition pack adds nutrition targets up to calories and macros, meal plans, recipes, food lookup with barcode scanning, private progress photos and measurements, weekly check-ins and a workout builder with an illustrated exercise library. You attach your own demo videos; there are no stock exercise videos. Michelle, the built-in AI assistant, works from your live practice data to brief you before sessions and draft follow-up emails. Questions and planning are included in your Coachful membership; confirmed builds use AI credits.

What Coachful does not do

Coachful is not HIPAA-certified and does not sign a BAA, so it is not for clinical record-keeping or insurance billing. There is no PayPal and no permanent free plan. The client app runs under the Coachful listing with your branding, not under your own App Store account. There is no Garmin, Fitbit, Whoop or Oura sync, and Apple Health sync is not publicly available. If wearable data is central to your method, factor that in.

Pricing

Plans are flat monthly prices. Lower plans cap the number of clients, Pro is unlimited, team plans add coach seats, and monthly plans cancel in one click (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). There is a free trial.

Why Coachful stands out: a free white-glove service. From Create > We'll build it for you, you describe what you want built, such as a website, a program, a checkout funnel or an email sequence, and attach up to 8 reference links and up to 10 files. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. One recent example: a menopause and midlife health coach starting from nothing got a five-page site in sage and cream with every button leading to a free 20-minute consultation. The service does not cover recording videos, logo design or running ads. Read more about the free white-glove service.

2. HoneyBook: polished proposals for wellness service businesses

HoneyBook homepage presenting its client management platform for service businesses
HoneyBook's homepage in October 2026.

HoneyBook is a client-management CRM for service businesses, with proposals, contracts, invoices, a scheduler and a client portal. It suits a health coach who sells mostly to companies, such as a corporate wellness series or an onsite workshop, where a proposal that turns into a signed contract and an invoice in one flow looks professional.

Plans as listed in October 2026

Starter is $29/month billed annually (the monthly rate was not shown on the page we reviewed), with unlimited clients and projects and 2 live lead forms. Essentials is $59/month or $49/month annually, with up to 2 team members and 10 lead forms. Premium is $129/month or $109/month annually, with unlimited team members. A 30-day free trial requires no card.

Watch-outs for health coaches

Payments must run through HoneyBook's own processing, and the pricing page gave two different card rates (2.7% + 10¢ in the FAQ, 2.9% + 25¢ in the plan comparison); ACH is 1.5%. The scheduler and automations start on Essentials, so the Starter price doesn't include booking. Most importantly, there is no coaching delivery: no programs, courses, habits, check-ins or community. You would still need a separate app for the work between sessions. Trustpilot showed 4.1 from 748 reviews.

Pick it over Coachful if your health coaching is mainly B2B workshops and corporate contracts billed by proposal, and individual clients don't need habit or check-in tracking.

3. Dubsado: deep automated workflows on a budget

Dubsado homepage presenting its client workflow, forms and invoicing software
Dubsado's homepage in October 2026.

Dubsado is a client-workflow CRM built around forms, contracts, invoices, a scheduler and automated workflows. Health coaches who like building detailed onboarding sequences (intake form, then contract, then invoice, then a welcome email, each triggered by the last) tend to like it.

The listed prices in October 2026: Starter at $35/month ($27.92/month annually) with unlimited clients and 1 active lead-capture form, and Premier at $55/month ($43.75/month annually) with unlimited lead forms. A 21-day trial gives full Premier access with no card. Dubsado states no platform fee of its own; your processor's rates apply, and you can optionally pass card costs to clients through surcharging. Check local rules before surcharging.

The limits are clear in Dubsado's own words: no website building, and it is not an email marketing platform. Starter has no scheduler or automations, so the real entry price for a booking-plus-workflow setup is Premier. The mobile app is a companion, and full functionality needs the desktop web app. There are no courses, client community, habits or check-ins, so a 12-week reset would be delivered somewhere else.

Pick it over Coachful if you want granular, rule-based paperwork workflows and you already deliver coaching through another app you are happy to keep paying for.

4. FreshBooks: accounting-grade invoicing for a growing practice

FreshBooks is accounting software with strong invoicing: estimates, invoices, recurring billing, expense tracking and reports your accountant can use. For a health coach, it is the tool to pick when the accounting side matters more than the coaching side, for example if you also sell products or have contractors.

October 2026 pricing

The FreshBooks pricing page listed Lite at $23/month (invoices to 5 clients), Plus at $43/month (50 clients) and Premium at $70/month (unlimited clients), with a custom-priced Select tier. All three showed an 80% discount for the first 4 months at the time, and there is a 30-day free trial. Add-ons include team members at $11/month per user, Advanced Payments at $20/month, and payroll from $40/month plus $6 per person.

Where it falls short for coaching

FreshBooks has no booking pages, coaching agreements, programs or client app. Lite covers invoices to 5 clients and Plus to 50, so a coach moving from 5 to 15 clients jumps from Lite to Plus. Pair it with a booking and delivery tool and you are maintaining two or three logins.

Pick it over Coachful if you need full double-entry bookkeeping, accountant access and expense tracking in the same tool that sends invoices, and you keep delivery elsewhere.

5. Practice Better: practice management with charting for nutrition-focused coaches

Practice Better homepage presenting its practice management software for wellness practitioners
Practice Better's homepage in October 2026.

Practice Better is practice management software for wellness and nutrition practitioners: scheduling, telehealth, charting, billing, programs and a client portal. It is the most clinic-like tool on this list, which makes it a natural fit for health coaches who work alongside dietitians or run a practice that keeps session charts.

Plans listed in October 2026: Sprout is free for 3 clients and 100 MB of storage; Starter is $35/month ($25 annually) for 10 clients; Professional is $69/month ($59 annually) for 300 clients; Plus is $99/month ($89 annually) for unlimited clients; Team is $155/month ($145 annually) for 2 practitioners. Trials run 30 days on Team and 14 days on other paid plans. Payments are powered by Stripe through Practice Better Payments; rates were not listed.

Several features health coaches want start on the higher tiers. Evergreen programs, portal branding, a custom URL and SMS begin on Plus. There is no website builder or funnel pages, so attracting clients happens elsewhere, and each account has one practitioner below Team. Trustpilot showed 3.8 from 87 reviews.

Pick it over Coachful if you need charting and a practice-management workflow closer to a clinic, and you already have a website and email tool you plan to keep.

6. Paperbell: one flat price for solo session-based coaches

Paperbell homepage presenting its all-in-one admin tool for solo coaches
Paperbell's homepage in October 2026.

Paperbell is an all-in-one admin tool for solo coaches covering booking, packages, payments, contracts, a client portal and a simple website. Health coaches who mostly sell session packages, such as six calls over three months, will find the flow tidy: a package page, a contract, a payment and a booking link.

There is one plan, listed at $97/month or $80.83/month billed annually, with unlimited clients, sessions, files and packages. It states no additional transaction fees beyond Stripe or PayPal processing, and there is a 30-day money-back guarantee. The pricing page shows a "Try For Free" button; an older help-center note described a 7-day trial with the public site offline and client messages turned off.

For health coaching specifically, the gap is delivery. Based on its profile, Paperbell has no courses, community, or goal and habit tracking, and no native mobile app, so clients use a mobile browser. If your method depends on daily check-ins, you will add another tool. Trustpilot showed 3.5 from 14 reviews. Our Paperbell alternatives page goes further.

Pick it over Coachful if you sell sessions rather than programs, want PayPal at checkout, and prefer one fixed price regardless of client count.

7. CoachAccountable: accountability tracking priced per active client

CoachAccountable homepage presenting its coaching back office software
CoachAccountable's homepage in October 2026.

CoachAccountable is a coaching back office with sessions, action plans, metrics, worksheets, courses, invoicing and agreements. Its metrics tracking is a genuine fit for health coaches who want clients to log numbers such as water intake, sleep hours or steps by hand each week.

Pricing scales with active clients, as listed in October 2026: Starter $20/month for 2 active clients, Level 1 $40 for 5, Level 2 $70 for 10, Level 3 $120 for 20, Level 4 $250 for 50 and Level 5 $400 for 100. The 30-day trial needs no card. Transaction fees aren't stated on the pricing page; processor fees apply.

The per-client model is the issue for health coaches who run group programs. A 30-person group reset puts you on Level 4. There is no landing page, website or marketing automation, and no native mobile app, according to its profile. By its own statement it is not HIPAA compliant. Trustpilot showed 4.8 from 47 reviews, the highest rating on this list. See also our CoachAccountable alternatives.

Pick it over Coachful if you coach a small number of one-to-one clients, care most about structured metrics and action plans, and don't need a website or funnels.

8. Bonsai: freelancer invoicing with time tracking

Bonsai homepage presenting its business management software for freelancers
Bonsai's homepage in October 2026.

Bonsai is business management software for freelancers and agencies, covering proposals, contracts, invoices, time tracking and projects. It can work for a health coach who also consults, for instance writing wellness content for a brand or advising a gym, and wants to bill by the hour.

Every plan is priced per user, as listed in October 2026: Basic $15/month ($9 annually), Essentials $25/month ($19 annually), Premium $39/month ($29 annually) and Elite $59/month ($49 annually, minimum 3 users). Basic has no invoicing or payments, so Essentials is the real starting point. The 7-day trial doesn't need a card to start. Bonsai's fees are listed in its help center; an older profile showed cards at 2.9% + $0.30, ACH at 1% and a 1% platform fee when using your own Stripe or PayPal where Bonsai Payments is available. We could not re-verify those fees in October 2026.

Bonsai doesn't offer courses, community, habits, check-ins or coaching programs, and a custom domain was listed as expected in 2026. Trustpilot showed 4.3 from 641 reviews.

Pick it over Coachful if most of your revenue is hourly consulting or content work, and coaching clients are a small side line.

9. Wave: free invoicing for the very first clients

Wave offers free invoicing and bookkeeping for small businesses. If you have two clients and no budget, it gets a professional invoice out today without a subscription.

The Wave pricing page listed in October 2026 a Starter plan at $0 with unlimited estimates, invoices and bookkeeping records, and card payments at 2.9% + $0.60 (3.4% + $0.60 for Amex). Pro was $19/month or $190/year, with a promotional half price for the first 3 months, bank-transaction import, late-payment reminders and a lower card rate of 2.9% + $0 for the first 10 transactions each month. Receipt scanning, payroll and bookkeeping help are paid add-ons.

Wave has no booking, contracts, programs or client portal for coaching. Its 60-cent per-transaction fee on Starter also adds up if you split programs into many small payments.

Pick it over Coachful if you are still testing whether people will pay you, invoice fewer than a handful of clients, and deliver everything by email and video call for now.

10. Square Invoices: pay-as-you-go billing for in-person coaches

Square Invoices is part of Square's payments suite, which suits health coaches who also take in-person payments at a studio, farmers market or workshop. The same account covers card-present and invoice payments.

According to Square's invoice pricing page in October 2026, invoicing is included in every Square plan: Square Free at $0/month, Square Plus at $49/month per location and Square Premium at $149/month per location. Online and invoice card payments cost 3.3% + 30¢ on Free and 2.9% + 30¢ on Plus and Premium. ACH via invoice is 1% with a $1 minimum, capped at $10 on Plus and Premium. Square lists recurring invoices, deposits, automatic payment reminders, estimates and contracts.

Like Wave, Square handles the money and not much else a health coach sells: no programs, habits, check-ins or branded client app.

Pick it over Coachful if a large share of your income comes from in-person sales and you want card-reader and invoice payments in one dashboard.

Which features does each tool include?

What does each option cost at 5, 15 and 40 clients?

Here is the monthly list price before payment processing, using the cheapest plan that covers booking or invoicing for that client count. Annual billing lowers most of these figures, and promotions change often, so confirm on each vendor's page.

Square Invoices$0$0$0Higher card rate on Free; Plus $49

Only part of the comparison is in that table. Most of the other tools need at least one more product for program delivery, and nearly all of them need a separate website and email tool on top.

Should you pick an all-in-one platform or assemble a stack?

An all-in-one platform usually costs less in total and takes less time once you count the delivery app, website and email tool an invoicing-only stack still needs. An assembled stack makes sense when you already own and like one of those pieces.

StackWhat it coversMonthly software cost (list)Logins
Coachful (all-in-one)Website, funnels, email, booking, agreements, payments, programs, habits, check-ins, community, client appSolo: $49/month for up to 20 clients1

Dubsado Premier + a separate delivery appPaperwork workflows, booking, invoices; delivery elsewhere$55 plus delivery, website and email tools3 to 4
Square Free + a booking tool + a delivery appPayments, invoices; everything else elsewhere$0 plus each other tool3 to 5

Prices for the extra tools in the assembled stacks vary too much to list fairly, so we left them as open costs. The bigger hidden cost is time: each extra login is another place where a client's payment, agreement or check-in can fall out of sync. If you are still deciding on a booking tool, our roundup of scheduling software for health coaches compares the options.

How would a health coach set up invoicing in Coachful, step by step?

Allow about an afternoon, or hand most of it to the white-glove team. The example below uses a fictional 12-week "Steady Energy" program with illustrative prices you should replace with your own.

  1. Connect Stripe. Link your own Stripe Connect account (or Razorpay). Turn on Stripe Tax if you need to collect sales tax or VAT, and confirm the rules with an accountant.
  2. Write the agreement. Include your scope line ("Health coaching supports behavior change and is not medical advice, diagnosis or treatment"), your refund and cancellation terms, and what happens if a plan payment fails. Set it to go out for e-signature before the first call.
  3. Add intake questions to the discovery call. Ask about current medical care, medications, pregnancy, and any history that needs clearance. Decide in advance which answers mean you refer out before you take payment.
  4. Build the offer. In this example the program sells at $900 in full or three monthly payments of $320. Add a coupon for referrals and an order bump such as a recipe pack.
  5. Build the program. Load weekly goals, daily habits (water, steps, a vegetable at every meal) and morning and evening check-ins. Start from one of the more than 40 program templates if you like.
  6. Create a maintenance membership. In this example it is a $79 monthly subscription for graduates, with a monthly group call and continued check-ins.
  7. Set up reminders. Turn on email reminders for sessions, and SMS or WhatsApp once messaging is enabled.
  8. Watch client status weekly. Sort by quiet or at risk, and reach out before the next plan payment is due.
  9. Handle corporate work with manual invoices. For a workplace talk, raise a manual invoice to the company.

How should you price it? Add up your delivery time per client (calls, check-in reviews, messages), multiply by the hourly figure you need, then add the value of templates and resources. The NBHWC publishes standards for board-certified health and wellness coaches, and holding that credential can support a higher rate, but it doesn't set prices for you.

What are the most common invoicing mistakes health coaches make?

Most invoicing problems in this niche come from billing that is disconnected from delivery and scope.

  • Taking payment before screening. If intake raises a red flag that needs medical clearance, refunding later is awkward. Screen first, then send the checkout link.
  • Using medical language on invoices. Words such as "treatment", "therapy" or "diagnosis" on an invoice can misrepresent what you provide. Describe the coaching program.
  • Promising insurance reimbursement. Coaching usually isn't billed to insurance. Don't issue superbills or imply coverage unless a licensed professional and the payer confirm it applies.
  • Choosing per-client pricing for group programs. A 30-person cohort can multiply a per-client bill. Price your software at the group size you plan to reach.
  • No failed-payment plan. Decide in the agreement what happens after a missed payment, and let the system collect payments automatically instead of chasing them by hand.
  • Keeping clinical notes in a coaching tool. If you are also licensed and keep clinical records, those belong in a HIPAA-ready clinical system.

How do you move your billing over without losing clients?

Migrate between billing cycles, keep the old tool running for one cycle, and tell clients what will change before their next payment.

  • Export first. Download your client list, active subscriptions, unpaid invoices and signed agreements from the old tool.
  • Move subscriptions at renewal. Let current subscriptions run to their next date, then invite clients to the new checkout, rather than charging twice in one month.
  • Re-sign agreements only if terms change. Store old signed PDFs on the new client record.
  • Let someone else carry it. In Coachful, clients, programs and content are imported for you during onboarding, and the white-glove team can rebuild checkout pages or an email sequence.
  • Keep your exit open. Coachful exports your full client data as a ZIP (roster, notes, check-ins, goals, habits, sessions and form responses).

Coaches in neighboring niches face similar choices; see the guides for life coaches and the wider coaching billing and invoicing software comparison.

Which invoicing software should a health coach choose?

Choose Coachful if you sell programs and want the payment, the signed agreement and the daily habit work in one place with one login for you and one branded app for clients. Choose Practice Better if you need charting and a clinic-style workflow, HoneyBook or Dubsado if your work is mostly B2B paperwork, and Wave or Square if you only need to send a few invoices for now.

In short: Coachful is a coaching platform for coaches who deliver programs, not just sessions. It handles payments through your own Stripe or Razorpay account, booking, agreements, programs, habits, check-ins, courses, community, a website and email. It isn't HIPAA-certified, doesn't support PayPal and has no wearable sync. To get started, take the free trial and ask the team to build your site or first program through the free white-glove service.

Frequently asked questions

What is the best invoicing software for health coaches?

For coaches who sell multi-week programs, Coachful ranks first because billing, agreements and habit-change delivery share one login. If you only need invoices, Wave or Square cost nothing per month. If you need charting, Practice Better is the closer fit.

Can health coaches bill insurance with these tools?

Health coaching is usually not billed to insurance, and none of the coaching-focused tools here are built for insurance claims. If you are also a licensed provider who bills insurance, use a clinical practice system that supports it. Check with the payer and an accountant before issuing any superbill.

Is Coachful HIPAA compliant?

No. Coachful is not HIPAA-certified and does not sign a BAA, so it isn't suitable for clinical records or insurance billing. Coaching notes, habits and check-ins work well there, but anything clinical belongs in a clinical system.

How should I set up payment plans for a health coaching program?

Offer pay-in-full and a plan of three or four payments, priced a little higher in total. Put the failed-payment terms in your coaching agreement and let the system collect automatically. Coachful supports payment plans, subscriptions, coupons and refunds through your own Stripe account.

Do I need separate accounting software?

Many coaches still use an accounting tool or an accountant for bookkeeping and tax returns. A coaching platform that creates an invoice for every transaction makes that handoff easier. The IRS recordkeeping guide lists what to keep, and an accountant can tell you what applies where you live.

Does Coachful take a cut of my payments?

No. Since August 2026 Coachful charges a 0% platform fee, so you pay only Stripe or Razorpay processing. Your membership covers the software.

What is Coachful's free white-glove service?

It is a build service on every plan. You describe what you need, such as a website, a checkout funnel, a program or an email sequence, attach up to 8 links and 10 files, and the team builds it in your account, usually within about 24 hours. It doesn't include video recording, logo design or ad management.

Can clients pay with PayPal?

Not in Coachful, which supports cards, Apple Pay and Google Pay through Stripe, or Razorpay. Paperbell and Bonsai have supported PayPal according to their older profiles, so check their current pages if PayPal matters to your clients.

Which tool is cheapest for a brand-new health coach?

Wave Starter and Square Free cost nothing per month, and Practice Better's Sprout plan is free for 3 clients. Those options only cover invoicing or basic practice management, so you will probably outgrow them once you deliver programs. A free trial of an all-in-one platform shows the difference before you commit.

What should a health coaching invoice include?

Your business name and contact details, the client's name, the program or session described as coaching, dates, amount, payment terms and any tax. Avoid clinical wording. Keep the signed agreement and intake answers with the client record rather than on the invoice.
