12 Best Scheduling Software for Holistic Health Coaches

The best scheduling software for holistic health coaches does more than show open slots. It sells a three- or six-month package and tracks the sessions it includes. It takes payment when the client books, asks the right intake questions before the first 90-minute consultation, and sends reminders across time zones. Most of all, it keeps the client engaged in the weeks between calls, when the food, sleep and stress changes actually happen. A plain booking link handles the first job well and leaves the rest to three or four other tools.
We make Coachful, and we rank it first here because it covers that whole path with one login: booking pages, session credits, payments, a signed coaching agreement, intake answers on the client record, and habits and check-ins in the client's branded app after the call. The other eleven tools below are good at parts of the job, and for some coaches a lighter scheduler is the right call. Each section ends with the case for picking it instead.
If you are still choosing your wider stack, start with our guide to the best software for holistic health coaches. For scheduling across every coaching niche, see the best scheduling software for coaches.
What do holistic health coaches need from scheduling software?
Holistic health coaches need a scheduler that sells packages, collects intake answers and payment at booking, and hands the client into an ongoing program afterwards. The session is only one piece of a longer change process, so the booking tool should connect to everything that happens after the call.
Here is how a typical holistic practice books time, and what each step asks of the software:
- A free discovery call. Usually 20 to 30 minutes, booked from a website, a lead magnet or a link in bio. You want a short form on the booking page (main concern, what they have tried, how they heard about you) so you walk in prepared.
- A longer initial consultation. Many holistic coaches run a 60- to 90-minute first session that covers diet, sleep, movement, stress, relationships and routines. That needs a separate session type with its own length, buffer and price.
- Packages, not single sessions. The core offer is often a 12-week or six-month program with fortnightly calls. The scheduler has to sell the package, track how many sessions remain and let the client book them without paying each time.
- Payment at booking, including payment plans. Clients often prefer three monthly payments over one large one. If the scheduler cannot do payment plans, you are invoicing by hand.
- Intake questions that stay with the client. Goals, current routines and anything that might need a doctor's clearance first. The answers should sit on the client record, not in an email thread.
- Reminders that actually reach people. Email reminders get missed. SMS or WhatsApp reminders cut no-shows for clients who live on their phones.
- Video links and time zones. Online holistic practices often coach clients in other countries. Time-zone detection and an automatic video link remove two common sources of missed calls.
- What happens after the booking. This is where holistic coaching differs from a one-off consultation. Meal and hydration habits, morning and evening check-ins, journaling prompts and a weekly reflection keep the client moving between calls.
A note on scope. Holistic health coaching supports behavior change. It is not diagnosis or treatment (see the overview of health coaching and the standards body for the field, the National Board for Health & Wellness Coaching). Your intake should screen for red flags that need a referral to a doctor, registered dietitian or mental health professional: chest pain, fainting, unexplained weight loss, signs of disordered eating, pregnancy with new symptoms, medication changes, or thoughts of self-harm. If you work inside a clinic that bills insurance, check whether HIPAA applies to you (the HHS covered-entity guidance explains who is covered), because that changes which tools you can use. More on that in the mistakes section.

How did we choose and rank these tools?
We ranked each tool on how well it handles the specific way holistic health coaches book and keep clients, using what vendors document on their own pages and what public reviewers report. We did not run hands-on tests. Vendor prices are as listed in October 2026; for Cal.com, SimplyBook.me and YouCanBookMe we read the pricing pages on the day of writing.
The questions we asked of every tool:
- Can it sell a multi-session package and track the sessions left? A holistic coach rarely sells single sessions at scale.
- Does it take payment at booking, and can it split a package into installments?
- Can it ask intake questions on the booking form, and where do the answers go afterwards?
- Which reminders does it send, and on which plan? SMS often costs extra.
- Does it create video links and handle time zones for international clients?
- What does the client get after booking? A calendar invite, a portal, or a full program with habits and check-ins.
- What does the whole stack cost? A cheap scheduler plus a separate contract tool, payment tool, course host and email tool can cost more than one platform.
Direct coaching-platform substitutes (Practice Better and Paperbell) sit mid-table: they do more than a scheduler, but less of the between-session work than Coachful, and they cost more than the pure booking tools.
1. Coachful: booking that turns into a program

Coachful is the pick for holistic health coaches because the booking is the start of the client relationship, not the whole of it. The same account that shows your availability also sells the package, collects the payment plan, sends the coaching agreement, stores the intake answers, and delivers the habits and check-ins that carry a client from one call to the next.
On the scheduling side, Coachful's booking pages cover what a holistic practice needs. You set availability rules, buffers between sessions (useful after a 90-minute initial consultation) and minimum notice, and the page detects the client's time zone. Calendars sync both ways with Google, Apple/iCloud and Outlook. Each booking gets a built-in video room or an automatically created Zoom, Google Meet or Teams link. Reminders go out by email, and once messaging is enabled, by SMS 24 hours before and WhatsApp one hour before the call.

Packages are where most schedulers fall short, and where Coachful fits the way holistic coaches sell. You can charge for single sessions or sell session credits that the client then spends on bookings, so a 12-week program with six calls can be paid once (or through a payment plan) and booked over time. Payments run through your own Stripe Connect or Razorpay account, with one-time charges, subscriptions, payment plans, coupons, order bumps, refunds, Apple Pay and Google Pay. Coachful takes a 0% platform fee (since August 2026), so only Stripe or Razorpay processing applies, and an invoice is created for each transaction.
Intake questions sit on the booking form, and the answers land on the client record next to goals, notes, tags, payments and past sessions. Discovery calls show up on the Intakes page, which tracks upcoming calls and how many converted. Before each session, Michelle, the built-in AI assistant, can brief you from the client's live data, so you open a follow-up call already knowing whether their evening check-ins slipped.

The coaching agreement goes out for e-signature before the first call and is stored on the client record, which matters when your agreement spells out that coaching is not medical care. Our coaching contracts page covers how that works.

After the booking, the client lands in your branded home inside the Coachful app. There they find their next session, any pre-session work, their program, progress and documents. A holistic program can include weekly goals, daily tasks, habits with streaks (water, a morning walk, a screen-free hour before bed), morning and evening check-ins, and goals with progress bars. You can add courses with drip release, downloads such as a pantry guide, and a community with group calls, with cohort groups created automatically when clients enroll in a program. Coaches who also give nutrition targets, meal plans and recipes can add the Fitness & Nutrition pack.

The client record gives each person a status of thriving, active, quiet or at risk, which helps you spot the client who stopped logging habits before they cancel their next session. For coaches pursuing an ICF credential, Coachful also counts coaching hours and distinct clients against ACC, PCC and MCC thresholds.
Here is a short walkthrough of how scheduling works in Coachful:
Why Coachful stands out: a free white-glove service. On every plan, you can open Create > We'll build it for you and describe what you need: a website, a booking funnel, a program, a course outline, an email sequence or a form. Attach up to 8 reference links and up to 10 files such as your logo, photos and existing copy, and the Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. One recent build was for a menopause and midlife health coach starting from nothing, who got a five-page site in sage and cream with every button leading to a free 20-minute consultation. The service does not cover recording videos, logo design or ad management. Read more about the free white-glove service.

Price. Flat monthly plans; lower plans cap the number of clients, Pro is unlimited, and monthly plans cancel in one click (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Features listed here are included in your Coachful membership; confirmed AI builds use AI credits.
Limits to know. Coachful is not HIPAA-certified and does not sign a BAA, so it is not the place for clinical records or insurance billing. It has no PayPal, no permanent free plan, no Garmin, Fitbit, Whoop or Oura sync, and no routing forms that pick a host from form answers. The client app runs under the Coachful listing with your branding, not under your own App Store account.
Who it is for. Holistic health coaches who sell programs rather than single sessions, solo coaches growing into a small team, and anyone replacing a scheduler, a payment tool, a contract tool and a course host with one subscription. See the Coachful page for health coaches and our scheduling software overview.
2. Acuity Scheduling: strongest intake forms among pure schedulers

Acuity Scheduling, owned by Squarespace, is the scheduler holistic practitioners most often pick when the booking form itself needs to be long. It supports intake forms on booking, packages and memberships, and payments through your own Stripe, Square, PayPal or Venmo account with no Acuity fee mentioned on its pricing page.
For a holistic coach, that combination covers the front door well. A new client can book a 90-minute initial consultation, answer a full lifestyle questionnaire, and pay in one visit. Packages let returning clients book follow-ups against sessions they already bought. Acuity also offers a HIPAA BAA, but only on the Premium plan, which matters if you coach inside a practice that is a covered entity.
As listed in October 2026, Acuity costs $20 per month for Starter (one calendar, $16 per month billed annually), $34 for Standard (up to six calendars, $27 annual) and $69 for Premium (up to 36 calendars, $55 annual), with Enterprise on request. Every plan comes with a 7-day free trial and no card is needed. Text reminders start on Standard, so a solo coach who wants SMS pays for the middle tier.
The gap is everything after the booking. Acuity has no client portal for programs, habits, check-ins or messaging, and no courses, community, website builder or email marketing. A holistic coach on Acuity usually adds a contract tool, an email tool and a separate place to deliver the program, and the intake answers stay in Acuity rather than on a shared client record. Acuity's Trustpilot score was 3.6 from 687 reviews when we checked in October 2026.
Pick it over Coachful if you mainly need a detailed booking form and packages, already deliver your program elsewhere, or need a HIPAA BAA on the scheduler and can pay for Premium.
3. Calendly: the booking link your clients already recognize

Calendly is one of the most widely used booking links, so many clients will have booked through one before their first discovery call. It does scheduling and only scheduling: booking pages, reminders and workflows, and paid bookings through your own Stripe or PayPal account with no Calendly fee on payments documented.
How does that map to a holistic practice? The free plan gives you one event type and one calendar connection, which is enough for a free discovery call and nothing else. Once you want a discovery call, an initial consultation and a follow-up session as separate event types, you need Standard, listed at $10 per seat per month on annual billing in October 2026, with up to six calendar connections and unlimited event types. Teams is $16 per seat per month annually and Teams Plus $24; Enterprise starts at $15,000 a year.
Calendly's limits show up quickly for a coach who sells programs. There are no client records, notes, programs, habits or check-ins. Booking questions are the only intake, there are no contracts or invoicing, and package tracking is not part of the product as documented. Pricing is per seat, so a holistic practice that adds an associate coach pays again for that seat. Calendly held a 4.1 Trustpilot rating from 714 reviews in October 2026.
For a coach early in the business with a handful of clients paid by bank transfer, Calendly's free plan is a reasonable start. The cost appears later, when the contract, payment plan, program and email tools are added one by one. Our calendar scheduling buying guide covers this trade-off in more depth.
Pick it over Coachful if a single no-cost booking link for discovery calls is all you need, and you are happy to manage packages, payments and the program somewhere else.
4. SimplyBook.me: a booking website with a HIPAA option
SimplyBook.me builds a whole booking website around your services and adds features through plan tiers and paid add-ons. It is built for appointment businesses in general, with medical services among the industries it lists, and the pricing page we read in October 2026 lists packages and memberships among its features.
Pricing on SimplyBook.me is in euros and depends on booking volume, not clients. As listed in October 2026: Free (€0, 50 bookings a month, one provider), Basic (€13.9 a month, or €11.9 billed annually, 100 bookings, up to five providers), Standard (€29.9 a month, or €24.9 annually, 500 bookings, 15 providers) and Premium (€59.9 a month, or €49.9 annually, 2,000 bookings, 30 providers). There is a 14-day free trial of premium features with no card needed. Payments, deposits and tips are available from Basic; a HIPAA option, SAML SSO and a branded client app from Standard; refunds, payment links and accounting integrations from Premium.
SMS and WhatsApp reminders are sold as credits (the page lists 100 SMS credits for $8 and 100 WhatsApp credits for $8), and extra booking packs cost $4 per 100 bookings. For a holistic coach that means reminder costs scale with how many sessions you run.
Is that a good fit? SimplyBook.me suits a holistic coach who works from a physical space, runs several practitioners, or needs the HIPAA option on a scheduler at a lower price than Acuity's Premium. What it does not do is deliver a coaching program: there are no multi-week programs with habits and check-ins, and the client app is a booking app rather than a coaching home. The number of booking form custom features also varies by plan, so check what your tier allows before building a long intake.
Pick it over Coachful if you run an in-person wellness space with several practitioners, need a scheduler-level HIPAA option, and handle coaching between sessions with other tools.
5. Cal.com: a generous free plan for one coach
Cal.com is the strongest free option for a solo holistic coach who wants more than one session type without paying. Its pricing page in October 2026 lists the individual plan as free forever, with unlimited event types and calendars, email and SMS notifications, more than 100 integrations, a mobile app, and Stripe and PayPal payments.
That free tier covers a discovery call, an initial consultation and a paid follow-up without a subscription. Teams is listed at $12 per user per month on annual pricing with a 14-day trial, adding round-robin scheduling, collective event types, recurring events, routing forms and the option to remove Cal.com branding. Organizations is $28 per user per month annually and lists SOC 2, HIPAA and ISO 27001 compliance.
Cal.com gives you fine control over event types and integrations, and you configure it yourself. Package tracking is not part of what the pricing page documents, so a coach selling a six-session program would need to manage remaining sessions elsewhere. There is no client portal, no program delivery, no contracts and no course hosting.
For holistic coaches, Cal.com is a good fit at the very start: free, flexible and capable of taking payment at booking. The day you want to sell a three-month package with a payment plan, send a signed agreement and give clients a daily check-in, you will be adding tools around it.
Pick it over Coachful if you want a no-cost scheduler with several session types and paid bookings, and do not yet sell packages or programs.
6. Practice Better: the clinical-style practice manager

Practice Better comes from the wellness and nutrition practitioner world. It combines scheduling, telehealth, charting, billing, programs and a client portal, which makes it the most practitioner-like tool here and a direct alternative to Coachful for holistic health coaches.
Its strength for this niche is the clinical feel. Coaches who trained in functional nutrition, or who work beside a naturopath or dietitian, often like charting and forms that look like a practitioner's file. Payments run through Practice Better Payments, powered by Stripe, with no platform fee stated.
The plan ladder is built on client counts, as listed in October 2026: Sprout is free for three clients and 100 MB; Starter is $35 per month ($25 annual) for ten clients; Professional is $69 ($59 annual) for 300 clients; Plus is $99 ($89 annual) for unlimited clients and three admins; Team is $155 ($145 annual) for two practitioners, with more at $50 each. Trials run 14 days on paid plans and 30 days on Team.
Several features holistic coaches care about sit on the higher tiers. Evergreen programs, portal branding, a custom URL and SMS start on Plus, so a coach who wants self-paced programs and text reminders is looking at $99 per month on monthly billing. Accounts below Team have one practitioner. Practice Better has no website builder or funnel pages (according to its older profile), so you still need a site and a way to capture leads. Public reviewers gave it 3.8 on Trustpilot from 87 reviews in October 2026.
Compared with Coachful, Practice Better leans toward records and billing, while Coachful leans toward the program, community and marketing side: habits, check-ins, courses, website, funnels and email in the same account. Our Practice Better alternatives for holistic health coaches goes deeper.
Pick it over Coachful if you need practitioner-style charting and work in a setting where clinical-looking records matter more than habits, community and your own website.
7. Paperbell: package sales for the solo coach

Paperbell handles the admin of a solo coaching business: booking, packages, payments, contracts, a client portal and a simple website. For a holistic coach, the package-plus-contract flow is the selling point: a client picks a three-month package, signs the agreement, pays and books in one sequence.
There is one plan, listed at $97 per month or $80.83 per month on annual billing in October 2026, with unlimited clients, sessions, files, packages and traffic. Paperbell says there are no additional transaction fees; Stripe or PayPal processing applies. A free trial exists (its help center described a 7-day trial in July 2026, with the public site offline and client messages and SMS turned off during it), and there is a 30-day money-back guarantee.
Where does it stop? According to its older profile, Paperbell has no courses or LMS, no community, and no goal or habit tracking. There is no native mobile app; clients use the mobile browser. For a holistic coach whose results depend on daily habits (hydration, sleep routines, a short evening reflection), that leaves the between-session part of the program to email or another app. Paperbell's Trustpilot score was 3.5 from 14 reviews in October 2026, a small sample.
See our Paperbell alternatives for holistic health coaches for a fuller comparison.
Pick it over Coachful if you sell straightforward session packages, want contracts in the booking flow, and deliver nothing between sessions beyond email.
8. Setmore: free scheduling for a small team

Setmore is an appointment app built for service businesses, with a free plan that already covers up to four users. That makes it worth a look for a holistic studio where a coach, a massage therapist and a yoga teacher share one booking page.
As listed in October 2026, the Free plan includes up to four users, unlimited appointments and one email reminder, but no SMS and no two-way calendar sync. Pro is $12 per user per month, or $5 per user per month on annual billing, with unlimited users and 500 SMS credits per user per month. Pro comes with a "risk-free for 30 days" refund offer; whether a card is required is not stated. Enterprise is custom.
Setmore takes payments at booking, with only processor rates shown. Reviews are strong: 4.9 on Trustpilot from 3,274 reviews in October 2026. For a coach, though, the free plan's lack of two-way sync is a real problem: if a client books over a personal appointment in your Google Calendar, Setmore will not know.
For holistic coaching specifically, Setmore stops at the appointment. It has no client programs, habits, check-ins, courses or community, and the pricing page shows no contracts or invoicing workflow. If your offer is a set of drop-in sessions in a physical space, it works. If it is a 12-week reset program, you will need more.
Pick it over Coachful if you run a shared wellness space with several practitioners who need cheap, simple booking, and coaching programs are a small part of the business.
9. YouCanBookMe: a booking page you can shape in detail
YouCanBookMe is known for how far you can customize the booking page itself: Markdown formatting, custom booking form questions, confirmation emails and SMS, and Stripe payments taken before the meeting is confirmed (its page notes that additional fees apply). It connects to Zoom, Microsoft Teams and Google Meet, supports more than 40 languages, and detects the visitor's time zone and language, which helps a holistic coach with international clients.
We could not verify YouCanBookMe's prices: its pricing page did not render the plan amounts when we read it in October 2026, so we are not quoting figures. What the page did show: a Free plan with one calendar connection and one booking page; Individual with two calendar connections and two booking pages; Professional with six calendar connections, ten booking pages and SMS from a dedicated business line; and a per-member Team plan. A 2-week free trial is offered, and billing can be monthly, yearly (10% off) or every two years (20% off). Check the current price on the vendor's own page before you commit.
For a holistic coach, the booking-page questions are the main draw. You can ask about current routines and goals at the moment of booking, and charge for the initial consultation upfront. Package tracking, client records, contracts and program delivery are not part of what the page documents, so the intake answers do not flow into a coaching record.
Pick it over Coachful if a highly customized booking page in many languages is the main thing you need, and your coaching delivery already lives elsewhere.
10. TidyCal: cheap paid bookings and simple packages

TidyCal is a low-cost booking tool, sold in part as an AppSumo lifetime deal. It supports paid bookings and packages, which is more than many free schedulers offer and directly relevant to a coach selling a block of sessions.
The Free plan, as listed in October 2026, has unlimited booking types and bookings, one readable and one writable calendar, and basic Google, Office 365 and Apple integrations. Pro costs $12 per month ($8.25 annual) and adds unlimited calendar connections and unlimited SMS reminders. Lifetime plans also exist (Individual and Agency). The catch is the fee: TidyCal charges a 1% platform fee on Stripe payments on the Free and Lifetime plans, on top of Stripe's own fees. On Pro it is 0%. No trial is stated.
For a holistic coach on a tight budget, TidyCal can sell a five-session package and take payment for it. It cannot do anything once the client has booked: there are no client records, notes, programs, habits or check-ins, and no courses, community, website or email marketing. Public reviewers gave TidyCal 3.1 on Trustpilot from 182 reviews in October 2026. Our list of the cheapest scheduling software for coaches compares it with other budget tools.
Pick it over Coachful if your main goal is the lowest possible monthly bill for paid bookings and simple packages, and you are fine with no client portal.
11. TimeTuna: branded booking pages that lead with coaches

TimeTuna positions itself toward coaches first, and its free plan is unusually complete for booking: unlimited booking pages, video backgrounds, two-way Google, Microsoft and iCal sync, and automatic Meet, Teams and Zoom links, with no credit card required.
Paid tiers, as read from its own price table in October 2026 (its homepage rendered euro prices; USD figures were not seen rendered from a US location): Pro at $11.50 per month ($5.83 annual), single user; Executive at $23 per month ($11.67 annual), with team sharing up to six people; and a yearly-only White label plan at $116.67 per month. Pro and Executive come with a 14-day trial. Custom intake form fields and a custom domain start on Pro, but charging for sessions through Stripe requires Executive. TimeTuna states no fee of its own on paid bookings.
For holistic coaches, the relevant point is that TimeTuna's own Paperbell comparison lists client packages and programs, and contracts, as "Coming soon". So today it is a polished booking page, not a package or program tool. It has no courses, community or client portal. We found no Trustpilot profile.
Pick it over Coachful if you want a branded booking page with auto video links without paying, and sell sessions one at a time.
12. Calendon: the lowest-cost paid booking link

Calendon is a simple booking-link scheduler aimed at coaches, freelancers and professionals, pitched around selling sessions paid upfront. It is the cheapest paid plan in this list.
The Free plan, listed as free forever with no card required in October 2026, allows three services, two schedules, unlimited bookings and one custom question per service, with a "Powered by Calendon" badge. Pro is $5 per month ($4 annual) and unlocks unlimited services, schedules and custom questions. Payments, reminder emails and Zoom are Pro-only; Google Meet links work on Free. Calendon takes 0% commission, so booking revenue goes to your Stripe account minus Stripe's processing fee. A Pro trial is offered; the in-app text describes 14 days.
There are limits for a holistic coach. Booking links do not work for guests until Google Calendar is connected, and Outlook and Teams showed as "Coming soon". Intake questions support text, dropdowns and checkboxes, which covers a short pre-call form but not a full lifestyle questionnaire on the free plan. There is no package tracking, client record, contract or program delivery.
Pick it over Coachful if you need a paid discovery or consultation link for a few dollars a month and nothing else yet.
How do the features compare side by side?
Coachful is the only tool here that covers packages, payment at booking, intake, multi-channel reminders, contracts and a between-session program in one account. The matrix shows what each vendor documents; "Not listed" means we found no documentation for it, not that it is impossible.

What does each tool cost at 5, 15 and 40 clients?
Most schedulers price by seat or booking volume, not by client, so their cost barely moves as you grow, while the cost of the tools you add around them does. The table uses monthly billing where listed. For SimplyBook.me we assume, as an example, about four sessions per client per month (20, 60 and 160 bookings).
| Tool | 5 clients | 15 clients | 40 clients | What you still need to add |
|---|---|---|---|---|
| Coachful | Lite: $29/month for up to 5 clients | Solo: $49/month for up to 20 clients | Pro: $99/month with unlimited clients | Payment processing only |
| Acuity Scheduling | $20 (Starter); $34 for SMS | $20; $34 for SMS | $20; $34 for SMS | Contracts, program delivery, website, email |
| Calendly | $0 (1 event type) or $10 annual | $10 annual | $10 annual | Packages, contracts, program, website, email |
| SimplyBook.me | €0 (Free, 50 bookings) | €13.9 (Basic) | €29.9 (Standard) | SMS credits, contracts, program, email |
| Cal.com | $0 | $0 | $0 | Packages, contracts, program, website, email |
| Practice Better | $35 (Starter) | $69 (Professional) | $69; $99 for SMS and evergreen programs | Website, funnels, email |
| Paperbell | $97 | $97 | $97 | Courses, community, habit tracking, email |
| Setmore | $0 or $12 (Pro) | $12 | $12 | Contracts, program, website, email |
| YouCanBookMe | Not verified | Not verified | Not verified | Packages, contracts, program, email |
| TidyCal | $0 (+1% on payments) or $12 | $12 | $12 | Client records, contracts, program, email |
| TimeTuna | $23 (Executive, for paid bookings) | $23 | $23 | Packages, contracts, program, email |
| Calendon | $5 (Pro) | $5 | $5 | Packages, contracts, program, email |
The cheapest line is not the cheapest stack. A holistic coach on a free scheduler who adds an e-signature tool, an email platform, a course host and a website builder is paying four bills and copying client details between them. Stripe or other processor fees apply to every tool on the list, Coachful included.
How would a holistic health coach set this up in Coachful? A worked example
Here is an example setup for a holistic health coach who sells a 12-week program with six fortnightly calls. The names and structure are illustrative; your own offer and price will differ. For the business side of building that offer, see how to start a holistic health coaching business.

- Connect your calendar and video. Link Google, Apple/iCloud or Outlook so personal plans block slots both ways. Choose the built-in video room or auto-created Zoom, Meet or Teams links.
- Set availability with breathing room. Add working hours, a 15-minute buffer after longer sessions and a minimum notice of 24 hours, so nobody books a 90-minute consultation an hour from now. Time-zone detection handles international clients.
- Create three session types. A free 20-minute discovery call; a 90-minute initial wellness consultation; and a 45-minute follow-up that is paid with session credits.
- Write intake questions for the discovery call and consultation. Ask for the main goal, current eating, sleep and movement routines, stress level, what they have tried, and a yes/no screen for anything that needs a doctor's input first (current medical treatment, pregnancy, recent medication changes, symptoms like chest pain or fainting). Keep it to coaching-relevant information; Coachful is not HIPAA-certified, so clinical records belong in a clinical system. The answers save to the client record. Our guide to intake form software for holistic health coaches has more on what to ask.
- Build the offer. Create the 12-week program as an offer that includes six session credits, connect your Stripe account, and add a three-payment plan as an option alongside paying in full.
- Attach the coaching agreement. Add an agreement that states coaching is not medical treatment and when you will refer out, and send it for e-signature before the first call.
- Turn on reminders. Keep the email reminders, and once messaging is enabled, add SMS 24 hours before and WhatsApp one hour before.
- Build what happens between calls. Inside the program, set weekly goals (week 1: water and breakfast; week 3: an evening wind-down), daily habits, a morning check-in on energy and an evening check-in on mood and sleep. Add a short course on reading food labels with drip release, and invite clients into a cohort group for a monthly group call.
- Publish the booking page. Add the discovery call to your website and link-in-bio page, or ask the white-glove team to build a booking funnel for you.
- Use the briefing before each call. Before a follow-up, ask Michelle for a briefing on the client's habit streaks and check-ins, and check the status flag (thriving, active, quiet or at risk) to see who needs a nudge.
If setting all of that up sounds like a weekend you do not have, send the brief to the white-glove team and they will build the program, funnel or form in your account.
Which scheduling mistakes do holistic health coaches make most?
The most common mistake is choosing a scheduler for the discovery call and then forcing a 12-week program through it. The others follow from the same habit of thinking about booking in isolation.
- Selling packages by invoice. If the scheduler cannot track session credits, you end up counting sessions in a spreadsheet and chasing payments by email.
- Collecting clinical details you should not hold. A holistic coach's intake should screen for red flags and refer out, not collect a full medical history. If you need clinical records or work in a setting covered by HIPAA, use a clinical system with a BAA and keep coaching tools for coaching.
- Skipping the agreement. A signed agreement that sets out scope, cancellation and refund terms protects you and the client. Have a local lawyer review yours, because rules vary by state and country.
- Relying on email reminders alone. Many plans hold SMS back for a higher tier. Price that in when you compare.
- Forgetting time zones. If you coach internationally, check that the booking page detects the visitor's time zone and that reminders show the right local time.
- Leaving clients alone between calls. Holistic results come from daily habits. If the only contact between sessions is a reminder email, clients drift.
- Comparing schedulers on sticker price only. Add up the contract, email, course and website tools you will need alongside the scheduler before deciding.
What is our verdict?
For most holistic health coaches, Coachful is the best scheduling software because it treats the booking as the start of a program: session credits, payment plans, intake on the client record, a signed agreement, SMS and WhatsApp reminders, and habits and check-ins between calls, all under one login (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). The free white-glove build removes most of the setup effort.
Choose Acuity Scheduling if a long intake form on the booking page is your main need. Calendly or Cal.com are the easiest free starting points for a single discovery link. SimplyBook.me or Setmore suit a shared physical wellness space. Practice Better fits coaches who want practitioner-style charting, and Paperbell fits solo coaches who sell simple packages with contracts and deliver nothing between sessions. TidyCal, TimeTuna and Calendon are low-cost booking links for coaches who are not yet selling programs.

It is not HIPAA-certified, has no PayPal and no permanent free plan. To start, take the free trial and ask the team for a free white-glove build of your site, funnel or program.
Frequently asked questions
What is the best scheduling software for holistic health coaches?
Coachful is our pick because it handles booking, session credits, payment plans, intake questions, agreements and reminders, then keeps clients engaged with habits and check-ins between sessions. If you only need a booking link, Calendly or Cal.com are simpler free starting points. Acuity Scheduling is the strongest pure scheduler for long intake forms.
Can I sell a 3-month package and let clients book sessions from it?
Yes, in tools that support packages or session credits. Coachful, Acuity Scheduling, Paperbell, TidyCal and SimplyBook.me document package selling. In Coachful, the client buys the program (in full or through a payment plan) and spends session credits when booking each call.
Is there a HIPAA-compliant scheduler for holistic health coaches?
Acuity Scheduling offers a HIPAA BAA on its Premium plan, SimplyBook.me lists a HIPAA option from Standard, and Cal.com lists HIPAA compliance on Organizations. Coachful is not HIPAA-certified and does not sign a BAA. Most holistic coaches who stay in a coaching scope do not hold clinical records, but if you work in a covered setting, check with an attorney or compliance advisor.
What should a holistic health coach ask on a booking intake form?
Ask for the main goal, current eating, sleep, movement and stress routines, what they have tried, and a short screen for anything that needs a doctor first, such as current medical treatment, pregnancy or recent medication changes. Avoid collecting a full medical history in a coaching tool. Refer out when a red flag appears.
Do I need SMS reminders?
They help with no-shows, especially for clients who rarely check email. Many tools hold SMS back for a higher tier (Acuity from Standard, Practice Better from Plus, TidyCal on Pro). Coachful sends SMS 24 hours and WhatsApp one hour before a session once messaging is enabled.
Which free scheduler is best for a new holistic coach?
Cal.com's free individual plan includes unlimited event types and Stripe or PayPal payments, as listed in October 2026. Calendly's free plan is limited to one event type, which suits a single discovery call. Free tools stop at the booking, so plan for packages and a program as you grow.
How does Coachful's free white-glove service work?
From Create > We'll build it for you, describe what you want built (a website, booking funnel, program, form or email sequence) and attach up to 8 links and 10 files. The Coachful team builds it in your account, usually within about 24 hours, without inventing credentials, testimonials or prices. It is free on every plan and does not include video recording, logo design or ad management.
Can clients in other countries book with the right time zone?
Yes, in Coachful the booking page detects the client's time zone, and YouCanBookMe also auto-detects time zone and language. Check this in any tool you trial by booking a test session from a different time zone.
Does Coachful connect to Zoom and Google Calendar?
Yes. Coachful syncs two ways with Google, Apple/iCloud and Outlook calendars, and creates Zoom, Google Meet or Teams links automatically, or you can use its built-in video. These are included in your Coachful membership.
Is holistic health coaching the same as treatment?
No. Holistic health coaching supports lifestyle and behavior change and does not diagnose or treat conditions. State that in your agreement and refer clients to a doctor, registered dietitian or mental health professional when something falls outside coaching.
