Best Invoicing Software New Zealand: 12 Picks, Ranked for 2026

Best Invoicing Software New Zealand: 12 Picks, Ranked for 2026

The best invoicing software in New Zealand depends on one question: is an invoice the whole job, or one step in a longer client relationship? If you sell products or one-off jobs, an accounting tool with invoicing built in is enough. If you are a coach, consultant or other service business, the invoice sits between a booking, a signed agreement and weeks of delivery, and the best invoicing software new zealand service businesses can choose is the one that joins those steps up while still giving you clean records for GST.

Our pick for coaches and service businesses is Coachful. We make Coachful, so weigh that, but the ranking criteria are stated openly below and every other tool gets an honest "pick it over Coachful if" line. Coachful sends an invoice for every payment, takes payment through your own Stripe account with a 0% platform fee, and keeps the booking, agreement, program and client record in one login. It is not an accounting ledger, so most GST-registered coaches pair it with Xero, MYOB or Hnry, and we show those combinations with monthly costs further down.

Below you will find quick picks by situation, the criteria we used, twelve tools in ranked order, a feature matrix, three example stacks for New Zealand coaches and a short FAQ. Prices are shown in NZD only where the vendor's own pricing page shows NZD; everything else is marked USD.

Which invoicing software should you pick for your situation?

Start with the scenario that sounds most like you. The table maps common New Zealand service-business situations to the tool that fits best, with Coachful as the best overall pick for coaches who deliver programs rather than single sessions.

If you already know you need a full coaching platform, our broader guide to the best coaching software in New Zealand compares the same field on delivery features rather than billing.

What do New Zealand coaches and service businesses need from invoicing software?

They need GST handled correctly, NZD payments that clients can pay by card, and invoices that follow the client journey automatically. A generic invoice maker covers the first and second; the third is where coaching practices lose hours each month.

GST and the registration threshold. Inland Revenue says you must register for GST if your taxable activity turned over at least $60,000 in the last 12 months, or you expect it to in the next 12 months, and also if you add GST to your prices (IRD: Registering for GST). Below that line, registration is voluntary. That makes a real difference to software choice: a new coach earning under the threshold mostly needs clean receipts, while a registered coach needs GST on invoices and a way to file returns. Rules on what a GST invoice must show change from time to time, so check the current IRD guidance or ask an accountant before you design your invoice template.

Packages, not line items. Coaches rarely bill by the hour. They sell a 12-week program, a monthly retainer, a bundle of six sessions or a payment plan for a group cohort. Invoicing software that only does one-off invoices pushes you into chasing instalments by hand. Look for subscriptions, payment plans and session credits. Our explainer on selling packages, tracking session credits and automating invoices walks through the mechanics.

An agreement before the first call. A signed coaching agreement sets scope, cancellation terms and refunds. If the agreement, invoice and booking live in three apps, something eventually slips. See our page on coaching contracts for how agreements fit the flow.

Privacy. Client notes, intake answers and payment history are personal information under New Zealand's Privacy Act 2020. Fewer tools means fewer places that data sits, and an easier answer when a client asks what you hold about them.

A local presence. Many coaches run a .co.nz website and want checkout pages on the same domain, so clients see one consistent brand from enquiry to receipt. If your website is part of this decision, read our guide to the best website builder in New Zealand.

Build your platform

How did we choose and rank these 12 tools?

We ranked for coaches and service businesses specifically, using four criteria. Generic invoicing apps can still rank well when they solve a New Zealand problem (GST returns, local tax filing) that coaching platforms do not.

Ranking criteria: one login for the whole client journey, between-session delivery, total stack cost, and setup effort (including whether someone will build it for you).

  • One login for the client journey. Does the invoice connect to the booking, agreement and client record, or does it stand alone?
  • Between-session delivery. Can the same tool deliver what the client paid for: programs, check-ins, courses, community?
  • Total stack cost. What do you pay once you add the scheduler, contracts and course tool that the invoicing app lacks? We count processing fees and per-user or per-client pricing.
  • Setup effort. How long until a real client can book, sign and pay? A done-for-you build counts for a lot here.

Vendor facts come from each vendor's own pricing page as listed in October 2026, or from pages we read at the time of writing for the five tools added in this update (Xero, Hnry, MYOB, FreshBooks and Zoho Invoice). We have not run hands-on tests; we report what vendors document and what public reviewers say. Ratings are Trustpilot scores seen in October 2026.

1. Coachful: the best overall pick for coaches and consultants

Coachful wins when the invoice is part of a coaching relationship: a client books, signs, pays and then moves into a program, all inside one account. For coaches, consultants and mentors in New Zealand who sell packages and programs, it replaces the scheduler, contract tool, payment links and course host that a pure invoicing app leaves you to buy separately.

How invoicing works inside Coachful

Payments run through your own Stripe Connect account (Razorpay is also supported). You can charge one-time fees, subscriptions and payment plans, add order bumps and coupons, issue refunds, and accept Apple Pay and Google Pay. Coachful creates an invoice for every transaction, and you can also raise manual invoices for anything sold outside a checkout, such as a corporate workshop. Stripe Tax is available for tax calculation. Since August 2026 Coachful charges a 0% platform fee, so the only deduction from each payment is Stripe's processing fee.

Coachful Payments tab with an invoice table listing invoice, client, type, amount, status and date
Coachful's Payments tab, with two demo invoices for a 30-day program and columns for client, type, amount, status and date.

What makes it different from Xero or Zoho Invoice is everything around the invoice. Booking pages handle availability, buffers, minimum notice and time-zone detection, with two-way Google, Apple/iCloud and Outlook calendar sync. Sessions can be paid individually or drawn down from session credits, so a six-session package tracks itself. Clients get email reminders, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled, which cuts no-shows on sessions that have already been paid for.

Here is a short walkthrough of invoices inside Coachful:

Offers, agreements and the client record

You package what you sell as offers: a 12-week program, a monthly membership, a bundle of courses and calls. Each offer has its own checkout, and checkout funnels support pixels and UTM tracking, so you can see which Instagram post or podcast appearance produced the sale.

Coaching agreements with e-signature go out before the first call and are stored on the client record, next to payments, sessions, intake answers, goals, check-ins, habits and notes. Each client shows a status (thriving, active, quiet or at risk), so a client who has paid but stopped engaging is visible before renewal time.

Delivery after the invoice is paid

This is the part no accounting tool covers. Multi-week programs carry weekly goals, daily tasks, habits and morning and evening check-ins, with progress bars and streaks. Courses support modules, drip release and completion tracking. Paying clients land in a community feed and cohort groups that are created automatically when they enrol. Everything appears in the client's branded home and app (your branding inside the Coachful app). Michelle, the built-in AI assistant, works from your live practice data to brief you before sessions and draft emails; questions are included in your Coachful membership, while confirmed builds use AI credits.

What Coachful is, and what it is not

Coachful is a coaching platform: booking, payments, contracts, programs, courses, community, a website with funnels and email, and an AI assistant under one subscription, with one login for you and one branded app for your clients. It suits coaches who deliver programs, solo coaches growing into a small team and anyone replacing four to six tools. It is not an accounting ledger: it does not reconcile your bank feed or file GST returns, so registered businesses export to, or run alongside, Xero, MYOB or Hnry. It does not support PayPal, has no permanent free plan, and is not HIPAA-certified, so it is not for clinical records. To start, take a free trial and ask the team to build your setup.

Why Coachful stands out: a free white-glove service. From Create, choose "We'll build it for you · FREE" and describe what you want: a website, a checkout funnel, an offer page, a program, an email sequence or an automation. Attach up to 8 reference links and up to 10 files such as your logo, brand guide or existing copy. The Coachful team builds it inside your own account, usually within about 24 hours, and leaves gaps for you rather than inventing prices, credentials or testimonials. One recent example: a business mentor for beauty professionals got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. Another, a leadership coach with a Squarespace renewal days away, got one clean homepage with a repeated "talk with me" button. More detail is in our post on the free white-glove service.

Price: flat monthly plans; lower plans cap the number of clients and Pro is unlimited (Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Monthly plans cancel in one click. Coachful holds a Trustpilot rating of 4.5 from 21 reviews.

Limits to know: no bank reconciliation or GST return filing, no PayPal, and no Salesforce or HubSpot integration for larger sales teams.

2. Xero: the pick for GST returns and working with your accountant

Choose Xero when your accountant already lives in it, or when you are GST-registered and want invoicing, bank reconciliation and GST returns in one ledger. It is the accounting system many New Zealand bookkeepers expect to log into, and that alone makes year-end cheaper.

On its New Zealand pricing page, Xero lists four plans in NZD excluding GST: Ignite at $37 a month, Grow at $89, Comprehensive at $117 and Ultimate at $135. At the time of writing it was advertising 80% off for the first three months, or one month free as a trial. Every plan includes tracking and filing GST returns, bank reconciliation and accepting online invoice payments. Xero also says there are no per-user licence fees.

For a coach, the important line is the limit on Ignite: it includes quotes and 20 invoices. If you invoice each session or each instalment separately, a practice with a dozen clients on fortnightly payment plans can pass 20 invoices in a month. Grow removes that limit and adds bill automation, while Comprehensive adds multiple currencies, useful if you coach clients in Australia or the US and invoice in their currency.

What Xero does not do is anything client-facing beyond the invoice. There is no booking page, no coaching agreement, no program delivery and no client app. Most coaches who use Xero connect it to a scheduler and a contracts tool, or let a coaching platform take the payment and use Xero as the ledger underneath. That second pattern is often the cheapest way to keep both your clients and your accountant happy, and it is the basis for two of the example stacks below.

Pick it over Coachful if you need a full accounting ledger and GST returns, or sell a mix of products and services where coaching is a small part. Many coaches run both.

3. Hnry: when you want tax handled, not just invoices sent

Sole-trader coaches who dread tax time are the people Hnry is built for. It is a New Zealand service that combines invoicing, expense tracking and an accounting team, and takes its fee as a percentage of what you earn instead of a subscription.

Hnry's pricing page lists a fee of 1% + GST on every payment into your Hnry Account, capped at NZ$1,500 + GST a year. It says the fee covers automated tax payments, tax filings, expense management and support from its sole-trader accountants, with no subscription and no credit card needed to join. Hnry's site also says it will chase unpaid invoices on your behalf.

The model suits a coach in their first year: if a quiet month brings in little, the fee is small. As an example, a coach invoicing NZ$4,000 in a month would pay NZ$40 + GST that month, and the cap means income above roughly NZ$150,000 a year adds no further fee. The trade-off is that income needs to flow through the Hnry Account, and Hnry is designed for sole traders rather than companies.

Like Xero, Hnry has no booking, agreements or program delivery. It answers "who files my tax?", not "how do clients book and get coached?". For a new coach under the GST threshold, pairing a coaching platform for the client side with Hnry for tax is one of the simplest setups in the country.

Pick it over Coachful if your main worry is income tax and filings rather than the client journey, and you are a sole trader happy with a percentage fee. The two work well side by side.

4. HoneyBook: proposal-led consultants and creative services

HoneyBook's public homepage as it appeared in October 2026
HoneyBook's homepage in October 2026.

HoneyBook suits consultants who win work with a proposal: a brand strategist, a workshop facilitator or a business consultant quoting a fixed project. Its core flow is proposal, contract, invoice and payment, with a client portal and scheduler around it.

As listed in October 2026, HoneyBook's plans are in USD: Starter at US$29 a month on annual billing, Essentials at US$59 monthly (US$49 annual) with up to two team members, and Premium at US$129 monthly (US$109 annual) with unlimited team members. There is a 30-day free trial with no credit card required. Payments must run through HoneyBook's own processing; its pricing page lists card fees inconsistently (2.7% + 10¢ in the FAQ and 2.9% + 25¢ in the plan comparison), so check before you commit. The scheduler and automations start on Essentials, not Starter.

For a coach, HoneyBook gets you to "signed and paid" quickly, but the delivery stops there: no programs, courses, habits, check-ins or community. A coach selling a 12-week program would still need a separate place to run the program. Prices also rose in February 2025, which matters if you are budgeting a few years ahead. Trustpilot shows 4.1 from 748 reviews.

From a New Zealand angle, note that prices are in USD, so the NZD cost moves with the exchange rate.

Pick it over Coachful if you sell custom projects that start with a detailed proposal and do not need to deliver programs or courses afterwards.

5. MYOB Business Lite: a familiar local name with yearly billing

MYOB fits sole traders who already know it, or whose accountant prefers it, and who would rather pay once a year. It is an established accounting brand in New Zealand, with GST tracking and lodging built in.

MYOB's New Zealand pricing page lists Business Lite at NZ$315 a year + GST, with 50% off the first year at the time of writing, and Business Pro at NZ$585 a year + GST. AccountRight Plus and Premier are monthly at NZ$100 and NZ$120 + GST. There is a 14-day free trial. Lite includes unlimited invoices and quotes, online payments, smart invoice reminders, up to two connected bank accounts, tracking GST and lodging reports with IR, and payroll for up to two employees at an extra NZ$3 a month + GST each.

For a coach, unlimited invoices on the entry plan is the stand-out line compared with Xero's 20-invoice cap on Ignite. Smart invoice reminders help with payment-plan clients who forget a transfer. Like other accounting tools, MYOB has no booking, agreements or client delivery, so it is the ledger, not the practice.

Pick it over Coachful if you want an accounting ledger with GST lodging and prefer annual NZD billing. Pair it with Coachful for the client side.

6. Paperbell: a single-price admin tool for solo coaches

Paperbell's public homepage as it appeared in October 2026
Paperbell's homepage in October 2026.

Paperbell targets solo coaches who sell one-to-one packages and want booking, payment and contracts in a single place at one price. It is a direct substitute for a coaching platform's admin side, which is why it ranks here rather than higher: the delivery side is thinner.

As listed in October 2026, Paperbell has one plan at US$97 a month (US$80.83 a month on annual billing) covering unlimited clients, sessions, files and packages. It states no additional transaction fees beyond Stripe or PayPal processing. There is a 30-day money-back guarantee; its help centre has described a seven-day trial with the public site offline.

Paperbell handles booking, packages, payments, contracts, a client portal and a simple website. Older public profiles note no courses, no community, no goal or habit tracking and no native mobile app. For a New Zealand coach paying in USD, the single price is predictable but not small, and you would still add tools for group programs. Trustpilot shows 3.5 from 14 reviews. Our Paperbell alternatives page compares it in more detail.

Pick it over Coachful if you only run one-to-one packages, accept PayPal payments and do not need courses, community or habit tracking.

7. CoachAccountable: per-client pricing for accountability-heavy coaching

CoachAccountable's public homepage as it appeared in October 2026
CoachAccountable's homepage in October 2026.

Accountability coaches with a small, high-touch roster are CoachAccountable's natural fit. It combines sessions, action plans, metrics, worksheets, courses, invoicing and agreements in a back office that leans heavily into tracking.

Pricing as listed in October 2026 is per active client, in USD: Starter US$20 a month for 2 clients, Level 1 US$40 for 5, Level 2 US$70 for 10, Level 3 US$120 for 20, Level 4 US$250 for 50 and Level 5 US$400 for 100. There is a 30-day free trial with no card and no limits. Transaction fees are not stated on the pricing page; older profiles list Stripe, Square and PayPal processing.

Its invoicing is coaching-aware, tied to sessions and agreements, which puts it well ahead of a plain invoice app for coaches. The pricing model is the catch: a group program of 40 people pushes you towards the US$250 tier. Older profiles also note no native mobile app, no website or landing pages and no marketing automation. Trustpilot shows 4.8 from 47 reviews, a strong score. See our CoachAccountable alternatives for more.

Pick it over Coachful if you coach fewer than ten clients one-to-one, want deep metric tracking and do not need a website, funnels or community.

8. Practice Better: wellness practitioners who also chart

Practice Better's public homepage as it appeared in October 2026
Practice Better's homepage in October 2026.

Nutritionists and wellness practitioners who keep charting notes alongside coaching tend to land on Practice Better. Its scheduling, telehealth, charting, billing, programs and client portal are built around a practitioner workflow.

As listed in October 2026, in USD: Sprout is free for 3 clients, Starter is US$35 monthly (US$25 annual) for 10 clients, Professional US$69 (US$59) for 300 clients, Plus US$99 (US$89) for unlimited clients and Team US$155 (US$145) for two practitioners. Trials run 30 days on Team and 14 days on other paid plans. Payments run through Practice Better Payments, powered by Stripe; rates are not listed. Evergreen programs, portal branding, a custom URL and SMS start on Plus.

The free tier is useful for testing, and billing ties into appointments. The gaps for a coach are marketing: older profiles note no website builder or funnel pages. One practitioner per account below Team limits growth into a small practice. Trustpilot shows 3.8 from 87 reviews. Coaching is not treatment: if you also see clients clinically, keep clinical records in a system designed for them and refer anything outside coaching scope to a registered health professional.

Pick it over Coachful if you need clinical-style charting and telehealth notes as part of your practice, or want a free tier for a handful of clients.

9. Dubsado: workflow automation for consultancies

Dubsado's public homepage as it appeared in October 2026
Dubsado's homepage in October 2026.

Dubsado is the choice for consultants who want every client to move through the same automated steps: form, contract, invoice, reminder, follow-up. It is a client workflow CRM with invoicing built in.

As listed in October 2026, Starter is US$35 a month (US$27.92 annual) with one active lead-capture form, and Premier is US$55 (US$43.75 annual) with unlimited forms. The free trial runs 21 days with full Premier access and no card. Dubsado states no platform fee; processor rates apply, and optional surcharging can pass card costs to clients. The Starter plan has no scheduler or automations.

Dubsado says itself that it does not build websites and is not an email marketing platform, and its mobile app is a companion to the desktop web app. It has no courses, community, habits or check-ins. Trustpilot shows only one review, so treat that score as no signal.

Pick it over Coachful if your work is project-based consulting with detailed, branching onboarding workflows and no program delivery.

10. FreshBooks: client-count plans for growing freelancers

FreshBooks works for freelancers and consultants who bill time and expenses and want polished invoices without a full accountant-grade ledger. Its plans are tiered by how many clients you can invoice.

FreshBooks' pricing page, as read at the time of writing, shows USD prices only: Lite at US$23 a month (invoices to 5 clients), Plus at US$43 (50 clients) and Premium at US$70 (unlimited clients), with an 80% discount for four months advertised. Extra team members cost US$11 a month each and Advanced Payments US$20 a month on Lite and Plus. It lists card, ACH, Apple Pay and Google Pay among payment options, though some of these are US-focused.

The client caps are the key issue for coaches. Five clients on Lite is tight for anyone past their first few months, and a group program of 40 needs Plus at least. FreshBooks does not show NZD prices or New Zealand GST filing on that page, so a registered coach would still want an accountant comfortable with it. No booking, agreements or program delivery are included.

Pick it over Coachful if you bill hourly with time tracking and expenses, and coaching is a small part of a wider freelance business.

11. Bonsai: per-user plans for freelance consultants

Bonsai's public homepage as it appeared in October 2026
Bonsai's homepage in October 2026.

Freelance consultants who juggle proposals, contracts, time tracking and invoices may like Bonsai, a business-management tool that bundles those pieces. It ranks low here because the per-user model and lack of delivery features suit agencies more than coaches.

As listed in October 2026, Bonsai charges per user in USD: Basic at US$15 monthly (US$9 annual), Essentials US$25 (US$19), Premium US$39 (US$29) and Elite US$59 (US$49) with a minimum of three users. The Basic plan has no invoicing or payments, so invoicing really starts at Essentials. There is a seven-day trial without a card needed to start. Older help-centre data lists Bonsai Payments at 2.9% + US$0.30 for cards, plus a 1% platform fee when you use your own Stripe where Bonsai Payments is available; we could not re-check it at the time of writing.

Custom domains were marked as expected in 2026. There are no courses, community, client habits or coaching programs. Trustpilot shows 4.3 from 641 reviews.

Pick it over Coachful if you run a small consultancy that tracks billable hours across projects and does not deliver coaching programs.

12. Zoho Invoice: a free starting point for side businesses

Zoho Invoice is the right answer for someone coaching on the side who needs a handful of tidy invoices and has no budget yet. It costs nothing.

Zoho does not list a New Zealand edition on its pricing page; its Australian page, read at the time of writing, says Zoho Invoice is free and lists quotes, tax invoices, card and e-wallet payments, automatic payment reminders, recurring invoices, expense recording, projects and timesheets, and a customer portal. It points businesses with more complex needs to Zoho Billing.

Recurring invoices make it workable for a monthly retainer. Beyond invoicing, though, there is no booking, agreement e-signature or coaching delivery, and no GST return filing. Most coaches outgrow it once they have a waiting list.

Pick it over Coachful if you have a few clients, earn well under the GST threshold and only need invoices for now.

How do the 12 tools compare feature by feature?

The matrix shows which tools cover each part of a New Zealand coaching practice. "Not listed" means the vendor's pricing page did not mention it, not that it is impossible.

The pattern is clear. Accounting tools (Xero, MYOB, Hnry) own GST; coaching platforms own the client journey. Only Coachful covers booking, agreements and delivery together with invoicing, which is why the strongest New Zealand setups pair it with one accounting tool rather than stitching four apps around an invoice maker.

What do three realistic New Zealand stacks cost per month?

Here are three example stacks. Coachful prices update to your current plan; accounting prices are as listed by each vendor, excluding promotions. These are illustrations, not quotes.

StackCoaching platformAccounting or tax toolAccounting costWho it suits
Coachful on its ownLite: $29/month for up to 5 clientsNone yetNoneA brand-new coach with up to five clients, below the GST threshold, keeping invoices for an accountant
Stack A: sole trader starting outSolo: $49/month for up to 20 clientsHnry1% + GST of income, capped at NZ$1,500 + GST a yearUnregistered or newly registered sole traders who want tax filed for them
Stack B: GST-registered solo coachSolo: $49/month for up to 20 clientsXero GrowNZ$89/month excl. GSTCoaches over $60,000 turnover who file GST returns, about 15 active clients

For comparison, building Stack B from single-purpose tools would mean Xero plus a scheduler, a contract tool, a course host and an email tool, each with its own subscription and login. Paperbell (US$97 a month) plus Xero Grow covers booking and invoicing but still leaves courses and community unsolved.

How does a New Zealand coach set up invoicing in Coachful?

A typical setup takes an afternoon, or less if you use the free white-glove build. Here is the order that works.

  1. Connect Stripe. Link your own Stripe account under payments so payouts go straight to you. Turn on Stripe Tax if you are GST-registered and want tax calculated at checkout; confirm the settings with your accountant.
  2. Create your offers. Set up each package as an offer: for example a three-month one-to-one program on a payment plan, a monthly retainer as a subscription and a single paid strategy session.
  3. Attach your agreement. Upload or write your coaching agreement so it goes out for e-signature before the first call and is stored on the client record.
  4. Build the booking page. Set availability, buffers and minimum notice; sync your Google, Apple or Outlook calendar; add intake questions. Paid sessions or session credits tie each booking to an invoice.
  5. Connect your .co.nz domain. Point your custom domain at your Coachful website so checkout and booking pages carry your brand.
  6. Set reminders. Email reminders run by default; enable messaging for SMS 24 hours and WhatsApp one hour before sessions.
  7. Hand the ledger to your accountant. Each payment produces an invoice. Raise manual invoices for corporate or offline work, and share the records with whoever runs your Xero, MYOB or Hnry account.

Not sure how much to charge? Our guide to coaching billing and invoicing software covers pricing structures, and the coaching payment software page shows the checkout options in detail.

What mistakes should New Zealand coaches avoid when choosing invoicing software?

  • Ignoring the GST line until you cross it. If your turnover is heading towards $60,000, pick a stack that can handle GST before you hit the threshold, not after.
  • Choosing on headline price alone. A free invoice app plus four other subscriptions usually costs more than one platform and one ledger. Count every tool.
  • Forgetting currency. Several popular tools only price in USD, so your monthly cost moves with the exchange rate.
  • Missing the invoice caps. Xero Ignite's 20 invoices and FreshBooks Lite's five clients are easy to outgrow if you bill instalments.
  • Scattering client data. Each extra tool is another place personal information sits under the Privacy Act 2020.
  • Skipping the agreement. An invoice without signed terms makes refunds and cancellations harder to settle.

Our verdict: which invoicing software should a New Zealand coach choose?

For coaches, consultants and mentors, Coachful is the best choice because invoicing is tied to the booking, the agreement and the program the client paid for, with a 0% platform fee and a free white-glove build to get set up. Add Xero or MYOB if you are GST-registered and want a full ledger, or Hnry if you are a sole trader who wants tax filed for you. Choose Xero alone if you sell products or projects where coaching is incidental, HoneyBook if your work starts with proposals, and Zoho Invoice if you just need free invoices for a side business. Frequently asked questions

Do I need to register for GST as a coach in New Zealand?

You must register if your taxable activity turned over at least $60,000 in the last 12 months or you expect it to in the next 12, or if you add GST to your prices, according to IRD. Below that, registration is voluntary. Check with an accountant if your income is close to the line.

Can Coachful file my GST return?

No. Coachful creates an invoice for every payment and supports manual invoices, but it is not an accounting ledger. Most registered coaches pair it with Xero, MYOB or Hnry for GST returns.

What is the cheapest invoicing software in New Zealand?

Zoho Invoice is free, according to its pricing page. Hnry has no subscription and charges 1% + GST of income, capped at NZ$1,500 + GST a year. Free invoicing alone rarely covers booking, contracts or delivery, so compare total stack cost.

Which tools show prices in NZD?

Of the tools here, Xero, MYOB and Hnry show NZD on their New Zealand pricing pages. HoneyBook, Dubsado, Bonsai, Paperbell, Practice Better, CoachAccountable and FreshBooks list USD.

Does Coachful take a cut of my payments?

No. Since August 2026 Coachful charges a 0% platform fee. Payments run through your own Stripe or Razorpay account, so only the processor's fees apply.

Can clients pay by PayPal?

Not in Coachful, which supports card payments through Stripe, plus Apple Pay and Google Pay. If PayPal matters to your clients, Paperbell supports it according to older public profiles.

What is Coachful's free white-glove service?

It is a done-for-you build included on every plan. You describe what you need, such as a website, checkout funnel or program, attach links and files, and the Coachful team builds it in your account, usually within about 24 hours. It does not include video recording, logo design or ad management.

Is Xero or MYOB better for a sole-trader coach?

Both handle GST returns. MYOB Lite includes unlimited invoices on an annual NZD subscription, while Xero Ignite caps invoices at 20 and Xero Grow removes that cap at a higher monthly price. Ask your accountant which they prefer, since their familiarity often saves more than the price difference.

How does the Privacy Act 2020 affect my choice?

Client notes, intake answers and payment history are personal information under the Privacy Act 2020. Fewer tools means fewer places to secure and a simpler answer when a client asks for their data. Coachful offers a full client data export as a ZIP.

Can I use my .co.nz domain with my invoicing and booking pages?

In Coachful, yes: the website builder supports a custom domain, so booking and checkout pages sit on your own address. Accounting tools such as Xero and MYOB send invoices from their own systems rather than hosting your website.
