Top 7 Personal Trainer Software UK: Ranked and Reviewed

Top 7 Personal Trainer Software UK: Ranked and Reviewed

The best personal trainer software UK trainers can pick depends on one question: how many separate logins does it take to get a client from "I saw your post" to "I've renewed for another block"? A workout app covers the training. It rarely covers the enquiry, the PT package payment, the signed agreement, the session reminders and the renewal conversation. Most UK trainers end up paying for three to five tools and copying client details between them.

Our pick is Coachful, because it runs the whole journey (booking, payments in sterling through your own Stripe account, agreements, workouts and nutrition, check-ins, community, website and email) behind one login, with one branded app for clients. We make Coachful, so weigh that, but we have kept every other entry factual and said where each one beats it. Below you will find the client journey broken into four stages, a coverage table, seven ranked tools with prices as their vendors list them, stack recipes with costs, UK VAT and UK GDPR notes, and migration tips.

What does a UK personal trainer's client journey actually need?

It needs four stages covered: attract, enrol, deliver and retain. Most personal trainer software is built around stage three and leaves the rest to other tools, which is where the cost and the admin creep in.

Attract: getting found and getting enquiries

A UK trainer typically gets clients from Instagram, Google searches like "personal trainer near me", gym floor referrals and word of mouth. That stage needs a simple website, a lead magnet or free consultation offer, and a way to answer Instagram comments and DMs fast. If you are still deciding what the site should hold, our guide to a personal trainer website covers what to build and what to skip.

Enrol: from consultation to paid client

The consultation booking, the pre-session questionnaire (injury history, medical red flags, goals), the agreement with your cancellation policy, and the payment for a 10-session pack or a monthly online plan. In the UK that payment is usually by card, Apple Pay or Google Pay in pounds. If any one of these steps lives in a separate tool, a client can stall between them.

Deliver: the training itself

Workout programming, exercise demos, logging, nutrition targets, habit tracking, form checks and progress photos. For hybrid trainers it also means a calendar for in-person sessions, SMS or WhatsApp reminders that cut no-shows, and session credits that count down as packs get used.

Retain: renewals, results and referrals

Weekly check-ins, a way to spot clients going quiet before they cancel, a group or community for accountability, and email for the renewal offer. The difference between a trainer with 15 steady clients and one who rebuilds the roster every quarter usually lives here. For more on the in-person versus online split, see fitness coach vs personal trainer.

Which tools cover which stage?

Only one tool on this list covers all four stages natively; the rest cover one or two well. Ranking criteria: one login for the whole client journey, between-session delivery, total stack cost at 15 clients, and setup effort (including Coachful's free white-glove build).

How did we choose and rank these seven?

We pictured one realistic UK trainer and priced the software they would need. Our example: a hybrid PT in Leeds with 15 clients, 8 of them in person on 10-session packs and 7 online on a monthly plan, plus one 6-week group programme twice a year. They want clients to book and pay themselves, sign a cancellation policy, get a reminder the day before, log workouts, and check in weekly.

For each tool we read the vendor's pricing page and documentation. We did not run hands-on tests, so where we describe a limitation it comes from what the vendor documents or what public reviewers report. Prices for Practice Better, Stan Store and Calendly are as listed in October 2026. Prices for Trainerize, TrueCoach and My PT Hub come from their pricing pages as we read them in early November 2026. The vendor pricing data we read is in US dollars (one My PT Hub capture shows euros), so we quote USD; your checkout may show pounds and may add VAT.

Direct coaching-practice tools that are not built around training (Practice Better here) sit mid-table, and specialist single-stage tools sit at the bottom because they need partners to cover a whole journey.

1. Coachful: the whole client journey behind one login

Coachful is a coaching platform that puts booking, payments, agreements, program delivery, courses, a community, a website with funnels and email, and an AI assistant into one subscription. For a personal trainer the important part is the Fitness & Nutrition pack, which turns that general coaching base into training software. It suits trainers who sell programmes and blocks rather than single sessions, solo PTs who may later add a second coach, and anyone currently paying for four to six separate tools.

What a trainer gets in the Fitness & Nutrition pack

The workout builder includes an exercise library of illustrated exercises and handles supersets, circuits, AMRAP, EMOM, intervals and tempo prescriptions. Clients log their workouts and see set history and personal records. You attach your own demo videos (there are no stock exercise videos, so your coaching cues stay yours). Nutrition goes as deep as calorie and macro targets, with meal plans, recipes, food lookup and barcode scanning. Clients upload private progress photos and measurements, submit weekly check-ins, and send private form-check videos that you comment on at exact timestamps. Challenges give a group programme something to chase.

Between sessions, the program layer does the accountability work: multi-week programmes with weekly goals, daily tasks, habits, morning and evening check-ins, progress bars and streaks. The coach-side client record pulls goals, check-ins, habits, notes, intake answers, payments and sessions together and labels each client thriving, active, quiet or at risk. That status is the early warning that a 10-session pack is not going to be renewed.

Booking and payments the UK way

Booking pages handle availability rules, buffers, minimum notice and time-zone detection, with two-way sync to Google, Apple/iCloud and Outlook calendars. Sessions can be paid individually or drawn from session credits, which is how a PT pack works. Reminders go by email, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled, which matters for early-morning in-person slots. Payments run through your own Stripe Connect (or Razorpay) account: one-off packs, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, with Stripe Tax available if you are VAT-registered. Coachful takes a 0% platform fee; you pay only Stripe's processing. There is no PayPal. Coaching agreements with e-signature go out before the first session and stay on the client record, so your cancellation policy is signed before anyone books a 6am slot. Our roundup of contract software for personal trainers goes deeper on what that agreement should say.

Getting clients in the door

The attract stage is where most PT apps stop and Coachful keeps going. There is a section-based website builder with a blog, custom domain and 30 designed homepage templates, plus booking, application, lead-magnet and checkout funnels with Meta Pixel and UTM tracking. Instagram automations reply when someone comments a keyword on a post (say "PLAN") and send the booking link, lead magnet or checkout in a DM; that person lands in the same lead and client records. The social planner schedules posts to Instagram, Facebook, LinkedIn, X, Threads and YouTube from one calendar. Email lists, broadcasts and multi-step sequences handle the renewal offer when a block ends.

Coachful funnels list with a free webinar funnel, a lead magnet funnel and a program launch funnel
Coachful's Funnels page listing a demo webinar funnel, lead magnet funnel and program launch funnel.

Michelle, the built-in AI assistant, works from your live practice data: she can draft a 6-week programme, write the renewal email, summarise a recorded session and brief you before a consultation. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. The community feed, group chat and video events give a group programme its own space, and cohort groups are created automatically when clients enrol.

This walkthrough shows how a client journey is mapped inside Coachful:

Where Coachful falls short for some trainers

There is no Garmin, Fitbit, Whoop or Oura sync, and Apple Health sync is not publicly available, so clients who live by their watch data will need to report it in check-ins. There is no PayPal and no permanent free plan. The client app carries your branding but ships under the Coachful listing, not your own App Store account. Coachful is GDPR-ready with a full client data export, but it is not a clinical records system, so physiotherapy notes and medical records belong elsewhere.

Why Coachful stands out: a free white-glove service. From Create > We'll build it for you, you describe what you want built (a website, a 12-week transformation offer page, a free 7-day workout funnel, a programme, an email sequence) and attach up to 8 reference links and up to 10 files such as your logo, photos and existing copy. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake qualifications, testimonials or prices, and gaps are left for you to fill. One recent build: a leadership coach with a Squarespace renewal days away got one clean homepage with a repeated "talk with me" button. The service does not record videos, design logos or run ads. Read more about the white-glove build service.

Price: flat monthly plans, with lower plans capping the number of clients and Pro unlimited (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Coachful has a free trial, and monthly plans cancel in one click. See the full feature list on the Fitness & Nutrition page or the Coachful for fitness coaches overview.

2. Trainerize: the established workout app

Trainerize homepage with its headline and sign-up call to action for fitness professionals
Trainerize's homepage in October 2026.

Trainerize (now branded ABC Trainerize) is one of the best-known training apps and covers the deliver stage thoroughly. It is built for independent trainers through to gyms and franchises.

Strengths. The free Basic plan includes the iOS and Android app, workout programming, basic messaging and habit coaching for one client. Grow adds an AI workout builder, meal and macro tracking, a Trainerize.me website profile and integrations with client apps and wearables. Pro adds custom exercise videos, custom welcome emails, custom consultation forms and leaderboard and threshold challenges. If wearable data matters to your clients, this is a real advantage over Coachful.

Listed pricing (USD, read in early November 2026). Basic is free for one client; Grow is $9 per month for two clients; Pro starts at $23 per month at five client seats and scales with a seat selector up to 200 clients; Studio Plus starts at $248 per month for 500 or more. The page lets you pick a seat count, and the static text did not show the Pro price at 15 or 40 clients, so check the selector for your number. A free trial needs no credit card.

Gaps. Several business features sit in paid add-ons: Stripe Integrated Payments, Business (prospect scheduling, trial products, automated product delivery), Video Coaching, Advanced Nutrition and the Custom Branded App. There is no full website builder, funnel builder or email sequence tool in the plans we read, so the attract and retain stages still need other software.

Pick it over Coachful if your clients need wearable integrations, or you run a gym floor with many trainers and want a training-only app your members already know.

3. My PT Hub: unlimited clients on one training plan

My PT Hub pricing page with its Lite, Starter and Premium plans side by side
My PT Hub's pricing page in October 2026 (this capture shows euro prices).

My PT Hub is personal trainer software with a simple three-plan structure and an unlimited-client tier, which makes it predictable as a roster grows.

Here is how the plans read in early November 2026, in the USD our request returned (the captured screenshot shows euros, so expect local currency at checkout). Lite is free for one client with 10 workouts and 10 nutrition plans. Starter is $25 per month for three clients and adds payment processing, 1-to-1 bookings, habit coaching, metrics and progress photos, and chat. Premium is $59 per month (advertised at $29.50 for the first three months) with unlimited clients, workouts and nutrition plans, an AI workout builder, Nutrition AI, group bookings, classes and live streams, automated check-ins, scheduled messaging, programme compliance tracking and community features. The 30-day free trial needs no card details.

Add-ons change the maths: a custom branded app is a one-time fee ($95, discounted to $66.50 when we read it), extra trainers are $10 per month each, a white-label app with its own App Store listing is $145 per month, and Check-Ins AI is $12 per month. The pricing page links to a GDPR policy.

The jump from three clients to unlimited means any trainer past three clients is on Premium. There is no website builder, funnel builder or email marketing in the plans listed, and no e-signed agreements are mentioned, so enquiry capture and your cancellation policy live in other tools.

Pick it over Coachful if you want a training-first app with group classes and live streams on one flat plan, and you already have a website and email tool you are happy with.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

4. Practice Better: practice management for nutrition-led trainers

Practice Better homepage aimed at wellness and nutrition practitioners
Practice Better's homepage in October 2026.

Practice Better suits PTs whose work leans towards nutrition and wellness consultations more than gym programming. It is built for wellness and nutrition practitioners and handles scheduling, telehealth, charting, billing, programmes and a client portal.

Pricing as listed in October 2026 (USD): Sprout is free for 3 clients; Starter is $35 per month ($25 annual) for 10 clients; Professional is $69 per month ($59 annual) for 300 clients; Plus is $99 per month ($89 annual) for unlimited clients; Team is $155 per month for two practitioners. Trials run 14 days on paid plans and 30 days on Team. Payments run through Practice Better Payments, powered by Stripe. Trustpilot showed 3.8 from 87 reviews in October 2026.

The limits matter for trainers. There is no workout builder with sets, reps and logging comparable to the training apps above. Evergreen programmes, portal branding, a custom URL and SMS start on Plus. An older profile notes no website builder or funnel pages, and accounts below Team hold one practitioner. If you see clients with health conditions, its charting is a better fit for clinical-style notes than a coaching tool.

Pick it over Coachful if your practice is mostly nutrition consultations with charting needs, and you do not program workouts.

5. TrueCoach: programming-first, priced by active clients

TrueCoach homepage pitching workout programming software for personal trainers
TrueCoach's homepage in October 2026.

TrueCoach is a workout programming app built around fast template building and a large video library. Its pricing page states that all prices are in USD.

The page displayed these figures when we read it in early November 2026: Starter $26.34 per month for up to 5 active clients, Standard $57.99 per month for up to 20, and Pro $136.99 per month for up to 50. The figures were shown next to "months free" labels that relate to annual billing, so confirm the monthly-billing price before you sign up. Over 50 clients is custom pricing by email, and there is a 14-day free trial with no credit card.

Every plan includes the program and workout builder, client tracking, MyFitnessPal nutrition integration, a habit tracker, in-app messaging, automated payments and a professionally recorded exercise video library (the page cites 3,000+ and 3,500+ in different places). Standard adds public profiles and Zapier-powered business automations. That pre-recorded library is something Coachful does not offer.

Outside programming, there is little: no website, funnels, agreements, email marketing or group community in the plans we read. A trainer at 21 clients moves up to the 50-client tier.

Pick it over Coachful if you want a ready-made library of filmed exercise demos and only need programming, messaging and payments.

6. Stan Store: a storefront for selling programmes

Stan Store homepage showing its link-in-bio storefront for creators
Stan Store's homepage in October 2026.

Stan Store is a link-in-bio storefront that lets a trainer sell digital programmes, memberships and paid calls straight from a social media bio link. It covers the attract stage and the checkout, not coaching.

As listed in October 2026 (USD): Creator is $29 per month ($25 annual) and Creator Pro is $99 per month ($79 annual), both with unlimited products and customers. Stan takes 0% of sales; Stripe or PayPal processing applies. There is a 14-day free trial. Email marketing, upsells, discount codes and affiliates are on Creator Pro only. Trustpilot showed 4.7 from 2,205 reviews in October 2026.

What it does not do: contracts, invoices, client records, programmes with tasks, habits or check-ins, or team seats. A PDF programme sold through Stan has no logging or accountability behind it.

Pick it over Coachful if you sell one-off digital programmes to a large social following and do not coach those buyers individually.

7. Calendly: booking only, done well

Calendly homepage with its scheduling headline and sign-up form
Calendly's homepage in October 2026.

Calendly is a scheduling tool, and some UK trainers still run their whole booking flow on it alongside a separate app. See our guide to scheduling software for personal trainers for more options in this category.

As listed in October 2026: the Free plan gives one event type and one calendar connection; Standard is $10 per seat per month billed annually, with unlimited event types and up to six calendar connections; Teams is $16 per seat billed annually. The monthly-billing price was not shown in the data we have. Payments connect through your own Stripe or PayPal account. Trustpilot showed 4.1 from 714 reviews in October 2026.

There are no client records, notes, programmes, habits, check-ins, contracts or invoicing. Session packs need workarounds, and each coach on a team pays for a seat.

Pick it over Coachful if all you need is a booking link, your clients pay at the gym, and your training happens entirely in person.

All-in-one or assembled: which stack should a UK trainer run?

An all-in-one stack costs one subscription and one setup; an assembled stack can look cheaper per tool but adds up, and every gap between tools is a place a client can drop out. Here are three realistic recipes for our 15-client example trainer.

StackToolsMonthly software cost at 15 clientsGaps left
Coachful all-in-oneCoachful with the Fitness & Nutrition packSolo: $49/month for up to 20 clientsNo wearable sync, no stock exercise videos

Flat-rate training appMy PT Hub Premium + a website builder + an email tool$59 plus whatever the website and email tools costFunnels, e-signed agreements, Instagram follow-up

The assembled figures are examples built from listed prices, not quotes. They exclude VAT, add-ons and card processing, and they ignore the time spent copying a new client's details from the booking tool to the training app to the email list. If you are starting from zero, our guide on how to start an online personal training business walks through the setup order, and how to start a coaching business in the UK covers registration and tax basics.

What UK rules affect your choice of software?

Three UK-specific points matter: VAT on what you buy and sell, UK GDPR for client health data, and the line between training and treatment.

VAT

Most vendors above list US dollar prices before tax, and a UK account may see VAT added at checkout. On the selling side, you must register for VAT once your VAT-taxable turnover passes the threshold set by HMRC, which GOV.UK lists as £90,000 in a rolling 12-month period. Once registered, your packs and online plans need VAT charged correctly; Coachful supports Stripe Tax for that. How VAT applies to digital programmes, overseas clients and reverse-charge purchases varies, so check with an accountant.

UK GDPR and health data

Injury history, medical conditions, weight, measurements and progress photos are health data, which the ICO treats as special category data needing a lawful basis plus an extra condition, often explicit consent. In practice: collect only what you need in your intake, tell clients where it is stored in your privacy notice, keep progress photos private, and pick software that lets you export or delete a client's data on request. Coachful exports the full client record as a ZIP and keeps progress photos private to the client and coach.

Training is not treatment

Personal training and coaching are not medical care. Your intake should flag red flags that need a GP's or physiotherapist's clearance before training: chest pain on exertion, fainting or dizziness, uncontrolled blood pressure, recent surgery, pregnancy complications, unexplained joint pain or a diagnosed heart condition. Refer out when a client's needs move into diagnosis or rehabilitation, and keep clinical notes in a clinical system. For the client-side view, see is a personal trainer worth it.

How do you move your clients to new software without losing anyone?

Switch at a natural break, move the data first and the clients second, and run both systems for one short overlap rather than a long one.

  1. Export before you cancel. Pull a CSV of clients, current programmes, remaining session credits and payment status from the old tool. Screenshot anything that will not export, such as notes on injuries.
  2. Pick a cut-over date at the start of a block. Clients starting a new 4-week or 12-week block expect a fresh programme, so a new app feels like part of the plan.
  3. Rebuild templates, not every client. Recreate your 5 to 10 most-used programmes first. In Coachful, clients, programmes and content are imported for you during onboarding, and the white-glove team can build the website or funnel.
  4. Move subscriptions carefully. Card details usually cannot be transferred between processors you do not own. If the old tool used its own payment system, ask clients to re-enter payment details on the new checkout; if you already use your own Stripe account, ask the new vendor what can move.
  5. Send one clear message. Tell clients what changes, the date, and the single link to download the app or log in. Pin it in the old app's chat for the overlap week.
  6. Re-sign agreements. Send your updated agreement through the new system so every client has a signed copy stored with their record.
  7. Cancel the old tool after one full billing cycle, once every client has logged at least one workout in the new one.

For more on the app side of this decision, see our comparison of the best app for personal trainers and the wider best coaching software UK roundup.

Our verdict: which personal trainer software should a UK trainer use?

Coachful is the strongest choice for a UK personal trainer who wants one system for the full client journey: enquiries from Instagram, a consultation booking, a signed agreement, a paid pack in pounds through their own Stripe account, workouts with logging, nutrition, check-ins, and renewal emails. The free white-glove build removes most of the setup effort.

Trainerize is the pick if wearable data matters. My PT Hub suits a trainer who wants unlimited clients on one training plan and already has a website. Practice Better fits nutrition-led practices that need charting. TrueCoach is right for programming-only coaches who want a filmed exercise library. Stan Store and Calendly each solve one stage well and need partners for the rest.

Whatever you pick, price it at the roster you expect in a year, not the one you have today.

Frequently asked questions

What is the best personal trainer software in the UK?

For a trainer who wants one login for booking, payments, agreements, programming and client retention, Coachful is our pick. If you only need workout delivery, Trainerize, My PT Hub and TrueCoach are established training apps. The right answer depends on how many stages of the client journey you want one tool to handle.

Do these tools charge in pounds?

The vendor pages we read list prices in US dollars, and some show local currency depending on where you visit from. What you charge clients is separate: with Coachful, payments go through your own Stripe account, so you can sell packs in pounds.

Do I pay VAT on personal trainer software?

A UK account may see VAT added at checkout, depending on the vendor. If you are VAT-registered, how you account for software bought from overseas suppliers varies, so check with an accountant.

Is client health data safe in personal training software?

Health information is special category data under UK GDPR, so collect only what you need, explain it in a privacy notice and choose software that can export and delete a client's data. Coachful is GDPR-ready and exports the full client record, but it is not a clinical records system or HIPAA-certified, so medical records belong in a clinical tool.

Can I sell PT session packs in Coachful?

Yes. You can sell paid sessions and session credits, so a 10-session pack counts down as the client books. Clients pay by card, Apple Pay or Google Pay through your own Stripe account, and Coachful takes a 0% platform fee.

Does Coachful sync with Garmin or Apple Health?

No. Coachful does not sync with Garmin, Fitbit, Whoop or Oura, and Apple Health sync is not publicly available. Clients can report step counts or sleep in their check-ins, and Trainerize lists wearable integrations if that data is central to your coaching.

Can my clients use an app with my branding?

In Coachful, clients use the Coachful app with your branding inside it, not an app under your own App Store account. My PT Hub and Trainerize sell their own branded-app options as add-ons, as described above.

What is Coachful's free white-glove service?

It is a build service included on every plan: you describe the website, funnel, offer page, programme or email sequence you want and attach references, and the Coachful team builds it in your account, usually within about 24 hours. It does not invent credentials, testimonials or prices, and it does not cover video recording, logo design or ads.

Is there a free trial?

Coachful has a free trial and monthly plans that cancel in one click. Among the others, TrueCoach lists a 14-day trial, My PT Hub a 30-day trial and Trainerize a risk-free trial, each without a card according to their pricing pages.

Who is Coachful not for?

It is not for clinics that need clinical records or insurance billing, trainers who need PayPal, or coaches who want a permanent free plan. It also does not suit a trainer whose coaching depends on automatic wearable data.
