Best Software for Team Coaches: Top 5 Picks for 2026

Best Software for Team Coaches: Top 5 Picks for 2026

The best software for team coaches is the tool that holds an entire team engagement in one place: the sponsor's agreement, the group sessions, the one-to-one calls with each member, and the work the team does between meetings. Most coaching tools were built for one coach and one client. Team work adds a paying organization, several people with different calendars, and a group that needs to keep moving after the workshop ends. So the deciding question is simple: can one login carry the contract, the calendar, the cohort and the follow-through, or will you stitch four products together?

Our pick is Coachful. We make Coachful, so weigh that, but the ranking below rests on criteria you can check yourself. Coachful puts booking, agreements, payments, multi-week programs with check-ins, group spaces created automatically on enrollment, and team seats for multiple coaches under one subscription, with one branded app for every team member. The other four tools each win a narrower situation, and we say exactly which one.

What do team coaches need from software?

Team coaches need software that handles three relationships at once: the organization that pays, the team as a unit, and each person inside it. A typical engagement has a sponsor (an HR lead or the team's manager) who signs the agreement and pays the invoice, a kickoff workshop, a run of group sessions every two or three weeks, short individual check-ins with each member, and some form of progress review with the sponsor at the midpoint and the end.

That shape creates specific software jobs:

  • A contract with the organization, signed before the first session. It sets scope, confidentiality, what the sponsor will and will not see, and payment terms. Our guide to e-signature software for coaches covers the signing side in depth.
  • Scheduling across many calendars. Eight team members in three time zones will not book a group call by email. You need booking pages for one-to-ones, recurring group sessions, time-zone detection and reminders.
  • A shared space for the team. Session recaps, agreed actions, a discussion thread and a place for the team to post wins between meetings.
  • Individual follow-through. Team commitments break down into personal ones. A member who agreed to run a weekly retro needs a task, a reminder and a check-in, not a line in a slide deck.
  • Invoicing a company. Organizations want an invoice per payment, sometimes a payment plan, and a clean record.
  • Room to grow into a practice. Many team coaches add associate coaches as engagements get bigger, which means seats, per-coach availability and permissions.

Two scope points matter. First, team coaching is a development service, not therapy or mediation of serious conflict. Your agreement should say so, and if a session surfaces harassment, a legal dispute or a mental health crisis, the right move is a referral to HR, legal counsel or a licensed professional. Second, confidentiality is harder with a paying sponsor. Decide in the contract what you report (attendance, themes, progress against agreed goals) and what stays private (anything an individual says one-to-one). Software helps here only if it lets you keep private notes private and share summaries deliberately. For broader background on the discipline, see the overview of coaching on Wikipedia, and our piece on virtual team coaching practices for how to run the sessions themselves.

Quick picks: which tool fits which situation?

Here is the short answer by scenario. Prices are as listed by each vendor in October 2026, before tax.

ToolBest forStarting price as listed
CoachfulBest overall: the full team engagement, from signed agreement to cohort program to individual check-ins, in one loginLite: $29/month for up to 5 clients
HoneyBookBest for proposal-heavy B2B selling, where the hard part is winning and invoicing the contract$29/mo billed annually (Starter); $59/mo monthly for Essentials
Mighty NetworksBest for a large community that spans many teams or a whole company$95/mo ($79/mo annual) on Launch
Simply.CoachBest for enterprise programs where sponsors and program managers need their own roles$9/mo solo; business tiers from $79/mo per active coach
CalendlyBest if you only need to fix booking across a multi-coach team and already have everything elseFree plan; Teams $16 per seat/mo billed annually

How did we rank these tools?

We ranked on what decides a team coach's week, not on feature counts. Ranking criteria: one login for the whole client journey, delivery between sessions, total stack cost, and setup effort (including whether someone will build it for you).

To keep it concrete, we used one example scenario throughout: a coach running two team engagements at once, each with eight members, plus a few individual leadership clients, for about 20 people in total. Each engagement has a sponsor contract, a kickoff, six group sessions over twelve weeks, two one-to-ones per member, and a sponsor review at week six and week twelve. Later, the coach brings in one associate coach. We checked what each tool documents for each step of that engagement, what it costs as listed in October 2026, and what public reviewers and the vendors' own pages say the limits are. We did not run hands-on trials of each product; where a vendor's page is unclear, we say so.

Two tools in this list, Simply.Coach and Coachful, are direct coaching platforms. The other three are specialists (a business CRM, a community platform and a scheduler) that team coaches commonly pair with other products. That matters for cost: a specialist can look cheap until you add the two or three tools it needs beside it.

1. Coachful: best overall for team coaches

Coachful wins when you want the whole engagement, sponsor to team to individual, in one system that the team members actually open between sessions. It is a coaching platform where one subscription covers booking, payments, coaching agreements, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The coach has one login; every team member uses one app carrying the coach's branding.

How a team engagement runs inside it

Start with the program. You build a multi-week program with weekly goals, daily tasks, habits, and morning and evening check-ins, then enroll the team. When people enroll, Coachful creates a cohort group for them automatically, so the team gets its own space with a feed, group chat and video events without any extra setup. Goals show progress bars and streaks, which gives you something real to discuss in the next group session.

Scheduling handles both halves of the calendar. Booking pages carry availability rules, buffers, minimum notice and time-zone detection, with two-way sync to Google, Apple/iCloud and Outlook calendars. Sessions run on built-in video, or Coachful creates the Zoom, Meet or Teams link for you, which helps when the client company mandates its own meeting tool. Reminders go by email, plus SMS 24 hours ahead and WhatsApp one hour ahead once messaging is turned on. Group calls and webinars sit on the same calendar as the one-to-ones. Intake questions can be attached to a booking, so each member answers a short pre-session prompt before their individual call.

The sponsor side is covered too. Coaching agreements go out with e-signature before the first call and are stored on the client record (more on coaching contracts). Payments run through your own Stripe Connect or Razorpay account: one-time, subscriptions or payment plans, Apple Pay and Google Pay, Stripe Tax, an invoice per transaction and manual invoices when the company needs one. Coachful charges a 0% platform fee on those payments; only Stripe or Razorpay processing applies.

Each team member has a client record with goals, check-ins, habits, notes, intake answers, tags, payments and sessions, plus a status of thriving, active, quiet or at risk. That status is useful in team work: two quiet members on a team of eight is a signal worth raising (carefully) before the sponsor review. Michelle, the built-in AI assistant, works from that live data. It can brief you before a session, summarize a recorded session, and draft the recap email to the team. Questions and planning with Michelle are included in your Coachful membership; confirmed builds and changes use AI credits.

Growing from solo coach to a coaching team

When you bring in associates, team plans (Studio and Agency) add coach seats with per-coach availability and staff permissions. Session types shared by several coaches can assign bookings round-robin or to the least-busy coach. If you hold or are working toward an ICF credential, Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log (see ICF hour tracking). The Coachful for teams page lays out the multi-coach setup, and this short walkthrough shows team seats in the app:

Where Coachful is not the right fit

Be clear about the limits. Coachful has no multi-stage sales deal board for large teams and no Salesforce or HubSpot integration, so if your firm runs enterprise pipelines in a CRM, keep that CRM. It has no routing forms that pick a host from form answers. It does not support PayPal, and there is no permanent free plan. It is not HIPAA-certified and offers no BAA, so it is not for clinical records. The client app ships under the Coachful listing with your branding, not as your own App Store app. Zapier covers most other connections.

Price and how to start

Plans are flat monthly; lower plans cap the number of clients, Pro is unlimited, and team plans add seats (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). Monthly plans cancel in one click, and there is a free trial. Clients, programs and content are imported for you during onboarding, and you can export all client data as a ZIP at any time.

Why Coachful stands out: a free white-glove service. On every plan, you can open Create, choose "We'll build it for you", and describe what you need: a website, a sales page for your team offer, a twelve-week team program, an application form, an email sequence for sponsors. Attach up to 8 reference links and up to 10 files, such as your logo, a past proposal or your workshop outline. The Coachful team builds it inside your own account, usually within about 24 hours. Nothing is invented: no fake credentials, testimonials or prices, and any gaps are left for you to fill. One leadership coach with a Squarespace renewal days away got a single clean homepage with a repeated "talk with me" button; a real-estate and money coach got a year-long cohort program with an application form, an eight-page site and a free nine-day bootcamp funnel. It does not cover recording videos, logo design or ad management. Read more about the free white-glove service.

Pick it over the others if you want sponsor agreements, invoices, group and individual sessions, and between-session follow-through for every team member in one place, and you would rather not maintain four subscriptions.

2. HoneyBook: best for proposal-heavy B2B selling

If your bottleneck is closing company contracts (proposals, revisions, signatures, deposits), HoneyBook is the strongest specialist here. It is a client-management CRM for service businesses, built around proposals, contracts, invoices, a scheduler and a client portal.

HoneyBook homepage presenting its client management CRM for service businesses
HoneyBook's homepage in October 2026.

The proposal-to-payment path

HoneyBook's documented workflow is a lead form, a proposal, a contract and an invoice in one flow, with a client portal for the buyer. For a team coach selling to an HR lead, that is a tidy way to send a scope, get it signed and take a deposit. The scheduler and automations start on Essentials, not Starter. Essentials allows up to 2 team members and 10 lead forms; Premium allows unlimited team members, unlimited lead forms and multiple companies.

What HoneyBook charges, as listed in October 2026

  • Starter: $29/mo billed annually (monthly price not shown); unlimited clients and projects, 2 live lead forms.
  • Essentials: $59/mo, or $49/mo billed annually.
  • Premium: $129/mo, or $109/mo billed annually.

HoneyBook is the payment processor, and its own page conflicts on the card rate: the FAQ says 2.7% + 10¢ while the plan comparison shows 2.9% + 25¢. ACH is 1.5%. A 30-day free trial with no card is listed in the pricing FAQ.

Gaps for coaching delivery

Once the contract is signed, HoneyBook has nothing for the coaching itself: no programs, courses, habits, check-ins or community. You would still need somewhere for the team to work between sessions and a separate tool for group communication. Payments must run through HoneyBook's own processing, so you cannot bring your existing Stripe account.

Pick it over Coachful if most of your effort goes into multi-round proposals for corporate buyers and you deliver everything else in the client's own tools (their Teams channel, their shared drive) rather than yours.

3. Mighty Networks: best for a community across many teams

Mighty Networks wins when the engagement is bigger than one team: a leadership program for forty managers from different departments, or an alumni community that keeps going after the formal coaching ends. It is a community, courses and events platform with Mighty-branded member apps.

Mighty Networks homepage presenting its community, courses and events platform
Mighty Networks's homepage in October 2026.

Strengths for large cohorts

Mighty Networks is built for many people in one space: discussion, courses, events and livestreams. Every plan includes several hosts and moderators, which suits a program co-run by you, an associate and an internal sponsor. Livestream allowances are generous (20 hours a month for up to 100 attendees on Launch), which covers regular town-hall style sessions.

Cost as listed

  • Launch: $95/mo ($79/mo annual); 3 hosts, 10 moderators, 200 GB storage, livestream 20 h/mo with 100 attendees.
  • Scale: $215/mo ($179/mo annual); 5 hosts, 15 moderators, 500 GB, livestream 30 h/mo with 200 attendees.
  • Growth: $354/mo billed annually; 10 hosts, 100 moderators, 1 TB.
  • Mighty Pro: custom pricing, needed for your own branded apps.

Mighty also takes a platform fee on sales: 2% on Launch, 1% on Scale and 0.5% on Growth and Mighty Pro, plus Stripe processing. The trial is 14 days with no card, and trials include Growth features.

What it leaves out

There is no one-to-one scheduling, no invoicing and no contracts, so the sponsor relationship and each member's individual sessions live elsewhere. There are also no per-client habits, check-ins or private coaching plans. In a team engagement, that means the group conversation is well served but individual follow-through is not tracked.

Pick it over Coachful if your main deliverable is a large, open community with many hosts, and one-to-one coaching is a small part of the work.

Which one looks like you?

4. Simply.Coach: best for sponsor-managed enterprise programs

Simply.Coach fits the coach or firm that delivers programs inside larger organizations where sponsors and program managers expect their own access. It is a coaching practice platform with contracts, programs, sessions, booking pages, a client portal and business and enterprise tiers.

Simply.Coach homepage presenting its coaching practice platform
Simply.Coach's homepage in October 2026.

Roles for sponsors and managers

The business tiers are the reason to look. Surge lists 2 program managers and 5 sponsors alongside the coach's clients, which maps neatly onto a corporate engagement with an HR lead and a department head who both want visibility. Contracts and programs are first-class objects, and every plan includes booking pages and a client portal.

Tiers and caps, as listed in October 2026

  • Starter: $9/mo; 3 active coachees, 1 contract, 1 program.
  • Essentials: $29/mo ($24.17/mo annual); 7 coachees, 3 contracts, 3 programs.
  • Growth: $49/mo; 30 coachees, 10 contracts and programs, 3 calendars.
  • Leap: $69/mo; unlimited coachees, contracts and programs.
  • CoCreate (business): $79/mo per active coach, 10 clients per coach.
  • Surge (business): $159/mo per active coach, 25 clients per coach, 2 program managers, 5 sponsors.

A 14-day trial with no card is listed. Transaction fees are not stated on the pricing pages.

Trade-offs to weigh

Every solo tier below Leap caps clients, contracts and programs, and a team of eight already exceeds Essentials. Business tiers charge per active coach, so a firm of three coaches on Surge pays three times the seat price. Automated invoices were marked "Coming Soon" on the solo pricing page, and there are no refunds for mid-period cancellations.

Pick it over Coachful if your contracts require named sponsor and program-manager roles inside the coaching platform itself, and you can accept per-coach seat pricing.

5. Calendly: best for booking across a multi-coach team

Calendly is the pick when booking is your only problem. If you run a small firm, already have a delivery tool you like, and need team members from client companies to book with the right associate, Calendly does that one job well.

Calendly homepage presenting its scheduling and booking tool
Calendly's homepage in October 2026.

Booking features worth knowing

Calendly offers booking pages, reminders and workflows, and paid bookings through your own Stripe or PayPal account with no Calendly fee on payments documented. Teams plans price each coach as a seat, with tiered annual rates that fall as seat counts rise.

Per-seat pricing, as listed

  • Free: 1 event type, 1 calendar connection, one-to-one scheduling.
  • Standard: $10 per seat/mo billed annually; up to 6 calendar connections, unlimited event types.
  • Teams: $16 per seat/mo billed annually, dropping on larger seat counts.
  • Teams Plus: $24 per seat/mo billed annually.
  • Enterprise: from $15k a year with a 50-seat minimum.

Monthly-billed prices were not shown on the pricing page we reviewed, and the free-trial answer did not render, so we cannot confirm current trial terms.

Limits for team coaching

Calendly has no client records, notes, programs, habits or check-ins, no intake questionnaires beyond booking questions, and no contracts or invoicing. Every coach on your team pays for a seat. You will still need a contract tool, an invoicing tool and a delivery space. Our guide to scheduling software for coaches compares it with other booking tools.

Pick it over Coachful if you are happy with your current delivery platform and only want to replace email ping-pong with booking links for several coaches.

How do the five compare feature by feature?

The matrix shows what each vendor documents. "Partial" means the feature exists with a notable limit; "Not listed" means we could not find it in the vendor's published material.

What does a full stack cost per month?

A full team-coaching stack usually costs more than the headline price of any single tool, because specialists need partners. These three example stacks follow the scenario above: about 20 people across two teams, with one associate coach added later. They are illustrations built from list prices in October 2026, not quotes, and they exclude payment processing and video-call subscriptions.

The specialist stack also means three logins for you and at least two for each team member, which is where engagement between sessions tends to drop off. For a wider look at how group delivery tools compare, see our page on group coaching software.

How would you set up a team engagement in Coachful?

Here is a step-by-step setup for the example engagement, with what the sponsor and the team see at each stage.

  1. Create the offer and agreement. Build a twelve-week team offer with a payment plan, and attach your coaching agreement. The sponsor sees: a checkout page and an agreement to e-sign before anything is booked.
  2. Build the program. Set weekly goals that match your session themes (trust, decision-making, feedback), daily tasks for agreed actions, and a weekly check-in with two or three questions. Start from one of the more than 40 program templates, or ask Michelle to draft it from your workshop outline. Each member sees: one goal for the week and a short list of tasks in the app.
  3. Enroll the team. Enrollment creates the cohort group automatically. Members see: a group feed and chat for their team only.
  4. Set booking. Create a recurring group session and a 30-minute one-to-one type with an intake question ("What do you want from this call?"). Connect Zoom or Teams if the company requires it. Members see: a booking page in their own time zone, with email, SMS and WhatsApp reminders once messaging is on.
  5. Run the sessions. Before each one, read Michelle's briefing on who checked in and who went quiet. After, post a recap to the group. Members see: the recap and next week's goal in the same place.
  6. Review with the sponsor. At week six, use goal progress and check-in rates to prepare a summary that respects what you agreed to keep private. Send the invoice for the next installment from the payment record.
  7. Add an associate when needed. Move to a team plan, give the associate a seat with their own availability, and set the one-to-one type to round-robin.

If building the first program feels like too much, request it through the free white-glove service with your outline attached. More on delivery for leaders specifically is in our guide to software for executive coaches.

What mistakes should team coaches avoid when choosing software?

  • Buying for the sale and forgetting the delivery. A great proposal tool does nothing for week seven, when the team's commitments are slipping. Check what members will use between sessions.
  • Counting the team as one client. Most coaching platforms count each person. A team of eight on a plan capped at seven forces an upgrade on day one, so check caps per person.
  • Leaving confidentiality to memory. Write down what the sponsor sees, and use a tool where private notes stay private by default.
  • Ignoring per-seat costs. Per-coach or per-seat pricing is fine solo but multiplies when you add associates. Price the stack at the size you plan to be in a year.
  • Forcing members into too many apps. Every extra login reduces check-in rates. One app for booking, the group and personal tasks is easier to adopt.
  • Skipping data export. Corporate clients may ask for records at the end. Confirm you can export notes, sessions and check-ins.

Which software should team coaches choose?

For most team coaches, Coachful is the best choice: one login carries the sponsor agreement, invoices, group and individual sessions, the team's cohort space and each member's weekly follow-through, and team plans add associate seats as you grow. Choose HoneyBook if winning corporate proposals is the hard part and delivery happens in the client's tools. Choose Mighty Networks for a large community across many teams. Choose Simply.Coach if your contracts need sponsor and program-manager roles inside the platform. Choose Calendly if you only need shared booking. For more on business-focused coaching tools, read software for business coaches.

Coachful in one paragraph: it is a coaching platform for coaches who deliver programs, not only sessions, including solo coaches growing into a small team. It replaces separate booking, payments, contracts, delivery, community, website and email tools. It does not offer HIPAA compliance, PayPal, a sales deal board or a Salesforce or HubSpot integration. To start, take the free trial and request your first program or site through the free white-glove build.

Frequently asked questions

What is the best software for team coaches?

Coachful is our pick because it holds the whole engagement in one login: agreements, invoices, group and one-to-one sessions, a cohort space and individual check-ins. Specialist tools like HoneyBook, Mighty Networks or Calendly each cover one part and usually need partners.

Does each team member count as a separate client?

In most coaching platforms, yes. Coachful's lower plans cap the number of clients and Pro is unlimited, so a team of eight counts as eight clients. Simply.Coach and similar tools also count each coachee, so check caps against your real headcount.

Can I invoice the company instead of each team member?

Yes. In Coachful, payments run through your own Stripe Connect or Razorpay account, and you can create manual invoices as well as the invoice generated for each transaction. HoneyBook and Simply.Coach also support invoicing, though Simply.Coach marked automated invoices as coming soon on its solo pricing page.

How do I keep one-to-one conversations private from the sponsor?

Set the rule in your coaching agreement first, then keep individual notes on each member's record and share only summaries you write deliberately. No software replaces a clear confidentiality clause signed before the first session.

Can several coaches share one Coachful account?

Yes. Team plans (Studio and Agency) add coach seats with per-coach availability and staff permissions, and shared session types can assign bookings round-robin or to the least-busy coach.

What is Coachful's free white-glove service?

It is a free build service on every plan. You describe what you need, such as a team program, a sales page or a website, attach up to 8 links and 10 files, and the Coachful team builds it in your account, usually within about 24 hours. It does not include video recording, logo design or ad management.

Does Coachful work with Zoom or Microsoft Teams?

Yes. Sessions can use built-in video, or Coachful creates Zoom, Google Meet or Microsoft Teams links automatically, which helps when a client company requires its own meeting tool.

Is team coaching software suitable for workplace conflict or mental health issues?

Coaching software supports coaching, which is not therapy or formal mediation. If a team session surfaces harassment, a legal dispute or a mental health concern, refer to HR, legal counsel or a licensed professional, and say so in your agreement.

Can I track ICF hours from team engagements?

Coachful counts coaching hours and distinct clients against ACC, PCC and MCC thresholds and exports an ICF client coaching log with paid and pro bono hours. Check the ICF's own rules on how group and team hours count toward each credential.
