How to Choose an Online Coaching Platform: 12-Point Checklist

How to choose an online coaching platform comes down to one test: can it run the way you coach, from the first payment to the work a client does on a Tuesday night, without a second tool? Most coaches compare feature lists and miss what costs them later: a price that climbs with every client, a fee on each sale, or an export that leaves the session notes behind.

This checklist has 12 points. Each comes with a question to ask the vendor, what a good answer looks like and real examples from coaching tools we checked on 2 September 2026. We also show how Coachful answers each point, including where it falls short.

What should you decide before choosing a coaching platform?

Decide how you deliver coaching and how many clients you expect in a year. Those two answers rule out half the market before you open a pricing page.

Write down your coaching platform requirements:

  • Your delivery model. One-to-one packages, multi-week programs, group cohorts, courses or a mix. A booking-and-invoices tool feels thin when clients need daily structure.
  • Your roster in 12 months. Ten clients and fifty clients point to different pricing models.
  • How many coaches. Some platforms allow one coach per account, so an associate means a second subscription.
  • Today's bill. Add up every tool you pay for now, from scheduler to email. That total is the number to beat.
  • Hard requirements. HIPAA, PayPal or an app under your own name will each cut the shortlist on their own.

Then mark each check below as must-have, useful or not needed. Your must-haves decide the shortlist, and the rest only need a passing answer.

1. Does the coaching platform give clients something to do between sessions?

It should, if your results depend on what clients do during the week. Look for programs with weekly goals and daily tasks, habits, check-ins and a client home people return to without a nudge from you.

Build your platform

This is where coaching platforms differ most. Paperbell and Satori sell and book packages well but have no habit tracking, and Satori has no goal tracking. CoachAccountable goes deep with Actions, Metrics and Worksheets. Quenza builds step-by-step pathways but has no booking or payments.

Watch for: "programs" that turn out to be a bundle of sessions with a PDF attached. Ask to see what a client does on day three.

2. Can clients book, join and get reminded without another tool?

A good platform books the session, puts it on both calendars, creates the video link and sends reminders by email and text. Each step that lives in another app is one more that can break.

Ask whether calendar sync runs both ways. Reviewers describe Satori's sync as one-directional, and Satori has no native Zoom integration. Paperbell and CoachAccountable create Zoom links, while Simply.Coach and Kajabi have built-in video.

Coachful's answer: booking pages with buffers and time-zone detection; two-way Google, Apple and Outlook calendar sync; built-in video or automatic Zoom, Meet and Teams links; and email reminders, plus SMS and WhatsApp once messaging is on. It has no routing forms that pick a coach from a prospect's answers. See Coachful scheduling.

3. How do payments work, and what does the platform take from each sale?

The best setup pays into your own Stripe account with no platform fee on top of card processing. Then check that it handles retainers, payment plans and session packs as well as one-off sales.

Platform fees hide in entry plans. On 2 September 2026, Skool's $9 Hobby plan took 10% of each sale and Teachable's $39 Starter plan took 7.5%, both before processing. On $3,000 a month in sales, a 10% fee is $300. HoneyBook is the processor itself, so you cannot bring your own Stripe account.

Coachful's answer: Stripe Connect or Razorpay, paid out to your own account; one-time payments, subscriptions and payment plans; Apple Pay and Google Pay; an invoice for every payment; Stripe Tax; and a 0% platform fee on every plan since August 2026. 4. Can clients sign the coaching agreement before the first call?

They should, inside the same flow where they pay or book. An agreement sitting in a separate e-signature tool is one more thing to chase the night before a session.

Check the limits as well as the feature. Simply.Coach's Starter plan allows one contract, and CoachVantage's Clarity plan caps e-signatures at four a month. Kajabi, Skool and Quenza have no e-signature contracts.

Coachful's answer: coaching agreements with e-signature, sent from reusable templates before the first call and stored on the client record with the timestamp. Coachful does not review your agreement text, so the wording is yours. See coaching contracts in Coachful.

5. What will your coaching clients open on their phone?

Ideally a real app from the App Store and Google Play, showing your logo and colors. A browser bookmark works, but push notifications are what put this week's task in front of a client.

Paperbell, CoachAccountable and Satori run in a mobile browser. Delenta has a white-labelled iPhone and Android app on its $79 Premium plan, and Kajabi's branded app starts on the $249 Growth plan. Quenza's client app is not white-labelled.

Watch for: "white label" that means a logo on a web portal. Ask whose name the app is listed under.

6. Where do group coaching clients meet between calls?

Ideally inside the same platform as their program. When the community lives in another tool, members need a second login and you lose sight of who is doing the work.

Many coaches bolt one on anyway. Circle's Professional plan was $129 a month on 2 September 2026, with a 2% fee on payments taken through Circle. Paperbell and Satori have no community, and CoachAccountable groups share actions and files without a social feed.

Coachful's answer: a community feed, group chat and direct messages; cohort groups created when clients enroll in a program; and group calls and webinars with attendance recorded per member. Each member keeps their own goals and check-ins. It is not a public community marketplace like Skool's Discovery. See group coaching in Coachful.

7. Can the coaching platform bring in new clients?

Some can, and most coaching admin tools cannot. If you would otherwise pay for a site builder, funnels and email separately, make this a must-have.

CoachAccountable and Satori have no website builder and embed into a site you already run. Delenta offers a branded landing page rather than a full site, and Paperbell includes a branded coaching website but no funnels.

Coachful's answer: a section-based website with a blog, your own domain on plans that include it, booking, application, lead-magnet and checkout funnels, email sequences with A/B splits, and Meta Pixel and GA4 tracking. 8. Can you take all your coaching data with you if you leave?

You should be able to download every client's notes, check-ins, goals, sessions and form answers yourself, at any time. Test it during the trial, because "export" often means a contact list and little else.

Skool's member export covers names, emails, join dates and membership answers, with no posts, messages or course progress. Kajabi permanently removes data 90 days after cancellation. We could not find a documented bulk export in Paperbell's help center. CoachAccountable exports each client's full history.

Platforms do close. Practice shut down on 3 November 2025 with roughly two weeks' notice and no read-only mode, and Nudge Coach stopped on 30 April 2025, with its export window closing in mid-May. Our guide to protecting coaching data from platform shutdowns covers what to keep.

9. Is the coaching platform priced per client, per coach or per plan?

It depends on the vendor, and the model shapes your bill more than the headline number does. Find out which one it uses, then price your roster as it will be in 12 months.

Competitor prices are in US dollars on monthly billing, checked on 2 September 2026. Card processing is extra on every platform.

A worked example: a coach with 25 active clients on CoachAccountable pays $200 a month, because the $120 tier stops at 20 clients. The same coach on Paperbell pays $57 for unlimited clients, then adds Circle at $129 for a community, which makes $186.

Ask too whether price rises reach existing customers. Thinkific applied a 10% increase at renewal from 13 August 2026. Our breakdown of what coaching software really costs goes further.

Coachful's answer: a flat monthly price per plan, team plans with three or six coach seats, and no platform fee on anything you sell.

10. What happens when the free trial ends?

With a card on file, the first charge usually lands automatically; without one, the account waits for you to pay. Before you start, note the trial length and how to cancel before any charge.

On 2 September 2026, CoachAccountable offered 30 days with no card, Satori 15 days and Delenta 14 days, also without a card. Paperbell is free until your second client. GoHighLevel takes a card, bills automatically after 14 days and can add usage charges during the trial.

Check the far end too: Mighty Networks annual plans auto-renew with no pro-rata refund.

Coachful's answer: a 7-day free trial, card required, no charge during the trial, cancel in one click. That is shorter than most trials above, so follow the test plan below. There is no free plan.

11. Does the coaching platform meet the privacy rules your clients need?

For most life, business and executive coaches, GDPR readiness and a full data export are enough. Health coaches handling clinical data, or coaches selling to healthcare employers, may need HIPAA and a signed business associate agreement (BAA).

Paperbell and CoachAccountable both say they are not HIPAA compliant. Delenta announced HIPAA compliance in March 2026, and Simply.Coach and Vibly claim HIPAA, GDPR and SOC 2. Get the BAA in writing before you move a client, and ask what any AI feature reads and can change.

Coachful's answer: Coachful is GDPR-ready with full data export and is not HIPAA-certified. Michelle, its AI assistant, works from your live practice data and asks for confirmation before it changes anything.

12. Who moves your clients, programs and content to the new platform?

A good vendor names a person or a tool for the import and tells you what you will rebuild by hand. If the answer stays vague, plan a weekend of copying.

CoachAccountable built an importer for Practice exports in November 2025. Course content is the usual sticking point: Kajabi course files come out one asset at a time.

How do you test a coaching platform in a 7-day trial?

Run one real offer through it as a client would, on your own phone. A demo only shows you the coach's screens.

  1. Day 1: build your best seller with its price, agreement, intake questions and booking rules.
  2. Day 2: buy it on your phone with a second email: sign, pay, book and open the call link.
  3. Day 3: add a week of tasks, one habit and a check-in, then complete them as the client.
  4. Day 4: reschedule a session, refund a payment and confirm the calendar syncs both ways.
  5. Day 5: run the export and check that notes and check-ins are in it.
  6. Days 6 and 7: score this coaching software checklist and price your roster a year out.

What does Coachful do and not do on this checklist?

  • It is not HIPAA-certified.
  • It does not take PayPal.
  • The client app carries your branding but is listed under Coachful, not your own App Store account.
  • It has no free plan, and entry plans cap the number of clients.
  • It is a younger product with a smaller public review record than decade-old tools: 4.5 on Trustpilot from 21 reviews.

Which online coaching platform should you choose?

The best online coaching platform for you passes your must-have checks at the roster you expect in a year, proven by a test purchase on your phone. Leave price until last, because the cheapest headline often hides a per-client ladder or a fee on every sale.

Per-client pricing is cheaper with a small roster and expensive with groups, because every participant counts. Flat pricing suits coaches who expect to grow, as long as the client allowance fits and there is no fee on sales.

Do my coaching clients need a mobile app?

If clients do habits, check-ins or lessons between sessions, an app with push notifications puts that work in front of them every day. Paperbell, CoachAccountable and Satori are browser-only, while Coachful has an iPhone and Android client app and Delenta includes one on its Premium plan.

Which coaching platform suits a solo coach, and which suits a team?

Solo coaches can use almost any platform, so delivery and pricing decide it. For teams, Paperbell allows one coach per account, CoachAccountable includes unlimited coach accounts, and Coachful has team plans with three or six coach seats.

What happens to my clients if my coaching platform shuts down?

You keep only what you exported in time. Nudge Coach closed on 30 April 2025 and its export window ended in mid-May, and Practice closed on 3 November 2025 with roughly two weeks' notice. Run a full export every quarter.
