Best Contract Software for Health Coaches: 7 Options Ranked

Best Contract Software for Health Coaches: 7 Options Ranked

The best contract software for health coaches does two jobs at once: it gets a clear coaching agreement signed before the first session, and it keeps that agreement attached to everything that happens after, from payment plans to weekly check-ins. A health coach's contract carries more weight than most, because it is where you state that coaching is not medical care, when you will refer a client out, and what happens if they cancel a 12-week program in week four. So the real question is not "which tool has e-signature?" (nearly all of them do). It is which tool keeps the signed agreement, the payment and the program in one place so nothing slips between them.

Our pick is Coachful. We make Coachful, so weigh that, but the reasoning is simple: the agreement is sent for e-signature before the first call, stored on the client record, and sits next to the payments, habits, check-ins and program the client signed up for. The other six tools below each win a specific situation, and we say plainly when you should pick one of them instead.

Below you will find quick picks by scenario, how we ranked, a section on each tool, a feature matrix, what each costs at 5, 15 and 40 clients, three example stacks with monthly totals, and a step-by-step setup.

What do health coaches need from contract software?

Health coaches need an agreement that defines scope, a signature captured before any coaching starts, and payment terms that match how programs are actually sold. Everything else is a convenience. Here is what that looks like in practice for this niche.

  • A scope-of-practice clause the client actually reads. Coaching supports behaviour change around food, sleep, movement and stress. It does not diagnose, treat or prescribe. Your agreement should say so in plain words and list when you will ask the client to see a doctor, registered dietitian or mental health professional. The National Board for Health and Wellness Coaching (NBHWC) frames the health coach role around partnership and behaviour change, not treatment, which is a useful reference when you write this clause.
  • Signing before the first call, not after. If the client books, pays and shows up before the agreement is signed, your scope and refund terms were never agreed to. The software should make "signed first" the default path.
  • Program-shaped payment terms. Health coaching is usually sold as an 8, 12 or 16-week program, often with a payment plan. The contract tool needs to sit next to a checkout that can do plans, coupons and refunds, so the terms in the document match what the card is charged.
  • Minimal health data in the contract tool. Many coaches tack a health history onto the agreement. Think twice. Collect what you need to coach (for example, "Are you under a doctor's care for anything that affects diet or exercise?") and leave clinical detail to clinicians. If you work inside or for a HIPAA covered entity, read the HHS guidance on covered entities and use a system that will sign a business associate agreement.
  • Legally recognised e-signatures. In the US, the ESIGN Act gives electronic signatures the same standing as ink for most contracts; in the EU, the eIDAS regulation sets the framework. Rules vary by state and country, so have a local attorney review your template.
  • A record you can find later. When a client disputes a refund three months in, you want the signed agreement on their record, next to their payments and session history, not in an email attachment.

If you have not written your agreement yet, start with our health coach contract template or the contract generator, then come back to choose where it lives. For the general workflow beyond this niche, see the coaching contract management software guide.

Build your platform

Quick picks: which tool fits your situation?

We ranked on four things that favour an all-in-one platform: one login for the whole client journey, delivery between sessions, total stack cost, and setup effort (including a free white-glove build).

ToolBest forStarting price (as listed in October 2026)
CoachfulBest overall: agreement, payment and the full health program under one loginLite: $29/month for up to 5 clients
HoneyBookCoaches who live in proposals, contracts and invoices and deliver elsewhere$29/mo billed annually (Starter)
DubsadoCoaches who want detailed automated onboarding workflows$35/mo (Starter)
Practice BetterPractitioners who need charting, consent forms and telehealth in a clinical-style system$0 (Sprout, 3 clients); $35/mo (Starter)
PaperbellSolo coaches selling 1:1 packages who want one flat price$97/mo
Dropbox SignCoaches who only need a signing tool next to an existing stack$15/mo (Essentials)
BonsaiCoaches who also bill consulting or corporate wellness work by the hour$15/mo per user (Basic)

How did we rank these tools?

We ranked by how well each tool covers a health coach's whole client journey, not by the depth of its e-signature features alone. All seven can get a document signed; the gap is what happens before and after.

  1. One login for the whole journey. Booking, agreement, payment, program, check-ins and messages in one place scores highest. A tool that stops at "signed and paid" scores lower for this niche, because health coaching is mostly what happens between sessions.
  2. Between-session delivery. Habits, daily tasks, check-ins and progress tracking are where health clients change behaviour. We gave weight to tools that carry the client from the signed agreement straight into that work.
  3. Total stack cost. A cheap signing tool plus a scheduler plus a course host plus an email tool often costs more than one platform. We priced each option alone and in realistic stacks.
  4. Setup effort. How long until a new client can book, sign, pay and start? Done-for-you setup counts.

We did not run hands-on tests of every tool. Vendor facts come from each company's own pages as listed in October 2026, and we say where public reviewers report something different. Direct coaching-practice substitutes sit in the middle of the list; tools from adjacent categories (CRMs, pure e-signature, freelancer suites) fill the other places.

1. Coachful: best overall for health coaches

Coachful wins when you want the signed agreement to lead straight into the program, with no second or third login. It is a coaching platform where one membership covers booking, payments, contracts, program delivery with habits and check-ins, courses, a community, a website with funnels and email, and an AI assistant. The coach has one login and the client gets one branded app.

Coachful Agreements tab with an empty state and a drop area for a signed PDF
The Agreements tab in a Coachful demo account, empty and ready, with a drop area for a signed PDF you already have.

How the agreement fits the client journey

Coaching agreements with e-signature are sent before the first call and stored on the client record. That record also holds the client's goals, check-ins, habits, notes, intake answers, tags, payments and sessions, so the signed scope clause sits right next to the evidence of what you actually delivered. If you already have signed PDFs from another tool, the Agreements tab has a drop area for them, which matters when you are moving an existing client list across.

For a health coach, the useful sequence looks like this: a prospect books a discovery call through a booking page with intake questions, you send the agreement before the first paid session, they pay through your own Stripe Connect or Razorpay account, and the program starts in their branded home. Intake questions on booking are the right place for a short screening question, such as whether the client is under a doctor's care for anything affecting diet or exercise.

Payments cover one-time charges, subscriptions, payment plans, order bumps, coupons, refunds, Apple Pay and Google Pay, with Stripe Tax and an invoice per transaction plus manual invoices. Coachful charges a 0% platform fee on client payments (since August 2026); you pay only Stripe or Razorpay processing. That matters for a 12-week program sold on a three-part payment plan, because the refund and cancellation terms in your agreement can be honoured from the same screen where the plan is running.

What happens after the signature

This is where Coachful separates from contract-first tools. Once signed and paid, the client lands in a multi-week program with weekly goals, daily tasks, habits, morning and evening check-ins, goals with progress bars and streaks. Each client gets a status (thriving, active, quiet or at risk), so you can spot the person who signed enthusiastically and then went silent in week three. Health coaches who also handle food and training can add the Fitness & Nutrition pack, with nutrition targets up to calories and macros, meal plans, recipes, food lookup and barcode scanning, private progress photos and measurements, and weekly check-ins. See Fitness & Nutrition for the details.

Michelle, the built-in AI assistant, works from your live practice data: she drafts emails and content, builds programs, summarizes recorded sessions and briefs you before each session. Questions and planning are included in your Coachful membership; confirmed builds and changes use AI credits. Clients, programs and content are imported for you during onboarding, and you can export your full client data as a ZIP at any time.

Why Coachful stands out: a free white-glove service. From Create > We'll build it for you, you describe what you want and the Coachful team builds it inside your own account, usually within about 24 hours. For a health coach that might be a website, an offer or sales page, a program, a form or worksheet, an email sequence or a lead quiz. You can attach up to 8 reference links and up to 10 files such as your logo, photos and existing copy. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. One recent build: a menopause and midlife health coach starting from nothing got a five-page site in sage and cream with every button leading to a free 20-minute consultation. The service does not cover recording videos, logo design, ad management or ongoing marketing. More on how it works: the white-glove service.

Where Coachful falls short

Coachful is not HIPAA-certified and does not sign a BAA, so it is not the place for clinical records or insurance billing. It has no PayPal, no permanent free plan, and no Garmin, Fitbit, Whoop or Oura sync. The client app runs under the Coachful listing with your branding, not under your own App Store account. If you are a licensed clinician who also coaches, keep clinical notes in a clinical system.

Price: flat monthly plans; lower plans cap the number of clients and Pro is unlimited (current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients). There is a free trial, and monthly plans cancel in one click. Read more on the health coach page and the coaching contracts page.

2. HoneyBook: best if proposals and invoices drive your business

HoneyBook wins for the health coach whose income comes from proposals rather than program funnels: corporate wellness workshops, retreat bookings, or group programs sold to employers. It is a client-management CRM for service businesses, built around proposals, contracts, invoices, a scheduler and a client portal.

HoneyBook homepage with its headline and sign-up call to action
HoneyBook's homepage in October 2026.

Why a wellness coach might choose it

If your typical sale is "send a proposal for a six-week lunch-and-learn series to an HR team, get it signed, invoice 50% up front," HoneyBook's flow suits it well. Proposal, contract and invoice live together, and the client portal gives the buyer one place to see what they signed. Starter includes unlimited clients and projects with 2 live lead forms; Essentials adds up to 2 team members and 10 lead forms; Premium removes the team and form caps and supports multiple companies.

Prices as listed in October 2026: Starter $29/mo billed annually (the monthly price was not shown on the page we reviewed), Essentials $59/mo ($49/mo annual), Premium $129/mo ($109/mo annual). There is a 30-day free trial with no credit card required. Prices rose in February 2025, so older reviews quote lower numbers. Trustpilot showed 4.1 from 748 reviews in October 2026.

Limits for this niche

HoneyBook has no coaching delivery: no programs, courses, habits, check-ins or community. The scheduler and automations are not on Starter, so a coach who wants booking needs Essentials. Payments must run through HoneyBook's own processing, and its pricing page lists conflicting card rates (2.7% + 10¢ in the FAQ, 2.9% + 25¢ in the plan comparison), so confirm the rate before you commit. ACH is listed at 1.5% and instant deposit at 1%. For a health coach, that means the habit and check-in work would need another tool.

Pick it over Coachful if most of your revenue comes from proposal-based corporate or event work and your 1:1 clients need little between-session support.

3. Dubsado: best for automated onboarding workflows

Dubsado wins when you want fine control over the sequence after someone says yes: send the agreement, wait for signature, send the invoice, then send the welcome questionnaire, each step triggered by the last. It is a client workflow CRM with forms, contracts, invoices, a scheduler and automated workflows.

Dubsado homepage with its headline and trial call to action
Dubsado's homepage in October 2026.

The workflow angle

Health coaches who run a careful intake (agreement, then a lifestyle questionnaire, then a welcome packet) can build that chain once and let it run. Starter is $35/mo ($27.92/mo annual) with unlimited clients and projects and 1 active lead-capture form; Premier is $55/mo ($43.75/mo annual) with unlimited lead forms. There is a 21-day trial with full Premier access and no credit card. Dubsado states no platform fee of its own; processor rates apply, and optional surcharging can pass card costs to the client.

What it leaves out

The Starter plan has no scheduler or automations, so the workflow advantage requires Premier. Dubsado itself says it does not include website building and is not an email marketing platform. The mobile app is a companion, and full functionality needs the desktop web app. There are no courses, client community, habits or check-ins, so your 12-week program content and accountability would live in another tool. Trustpilot showed only 1 review in October 2026, so public review data there is thin.

Pick it over Coachful if you want a heavily customised, rule-based onboarding chain and you already have a separate place to deliver programs that you are happy with.

4. Practice Better: best for practitioners who need clinical-style records

Practice Better wins for the health coach who also holds a clinical credential, or who works alongside dietitians, and needs charting and a HIPAA-oriented system. It is practice management for wellness and nutrition practitioners: scheduling, telehealth, charting, billing, programs and a client portal.

Practice Better homepage aimed at wellness and nutrition practitioners
Practice Better's homepage in October 2026.

Consent forms and charting in one place

Its pricing page lists sending forms and waivers to clients so you can "collect information and consent" before and after sessions, plus HIPAA/PIPEDA/GDPR compliance, HIPAA-compliant telehealth and secure messaging (as listed in October 2026). For a coach whose agreement sits next to a health history and chart notes, that is the main reason to choose it. Check on a trial how its forms handle the signature and refund wording you need.

Practice Better pricing page with Sprout, Starter, Professional, Plus and Team plans
Practice Better's pricing page in October 2026.

Prices as listed in October 2026: Sprout $0 (3 clients, 1 practitioner, 100 MB), Starter $35/mo ($25/mo annual, 10 clients), Professional $69/mo ($59/mo annual, 300 clients), Plus $99/mo ($89/mo annual, unlimited clients, 3 admins), and Team $155/mo ($145/mo annual, 2 practitioners, up to 200 at +$50 each). Trials run 30 days on Team and 14 days on other paid plans, with no contracts. Payments run on Practice Better Payments, powered by Stripe; rates are not listed on the pricing page. Trustpilot showed 3.8 from 87 reviews in October 2026.

The catch

Evergreen programs, portal branding, a custom URL and SMS start on Plus, so the plan many coaches need is $99/mo. Older profiles report no website builder or funnel pages, so you still need somewhere to sell. Below the Team plan, there is one practitioner per account.

Pick it over Coachful if you need HIPAA-oriented charting and a BAA-style setup, or you run a mixed practice with clinicians who must keep records in the same system.

5. Paperbell: best flat-priced admin for solo 1:1 coaches

Paperbell suits the solo health coach who sells packages of 1:1 sessions and wants booking, payment and contract signing on one simple checkout. It positions itself as all-in-one admin for solo coaches: booking, packages, payments, contracts, a client portal and a simple website.

Paperbell homepage pitching all-in-one admin for solo coaches
Paperbell's homepage in October 2026.

What the single plan includes

One plan at $97/mo ($80.83/mo annual), as listed in October 2026, covers unlimited clients, sessions, files, packages and traffic. Paperbell lists "no additional transaction fees"; Stripe and PayPal processor fees apply. A client buying a "6 sessions over 3 months" package can sign your agreement and pay in the same flow, which removes the most common gap in health coach onboarding. There is a "Try For Free" button; its help center (July 2026) described a 7-day trial with the public site offline and client messages and SMS off, plus a 30-day money-back guarantee.

Gaps a health coach will notice

Older profiles report no courses or LMS, no community, and no goal or habit tracking, which is the core of most health coaching programs. There is no native mobile app; clients use a mobile browser. The single price is per coach, so it does not get cheaper for a coach with five clients. Trustpilot showed 3.5 from 14 reviews in October 2026. If you are comparing it in more depth, see Paperbell alternatives.

Pick it over Coachful if you only sell 1:1 session packages, need no habit or check-in tracking, and want PayPal as a client payment option.

6. Dropbox Sign: best standalone e-signature tool

Dropbox Sign is the answer when you already have a booking, payment and delivery setup you like and only need a reliable way to get your agreement signed. It is a pure e-signature product, not a coaching platform.

Signing features worth knowing

According to its pricing page, which we read on October 29, 2026, Essentials (for individuals) is $15/mo billed monthly or $10.05/mo billed yearly ($120.60/yr), with unlimited signature requests. Standard (small teams) is $25 per user per month, or $17.50 per user per month billed yearly (from $420 a year); Premium is custom-quoted. The page lists templates, template links you can share by email or on your site, an audit trail, signer attachments, reminders and notifications, and SOC 2 Type II, ISO 27001, eIDAS and GDPR compliance. There is a 30-day free trial.

For a health coach, template links are the useful bit: you can put a "sign the coaching agreement" link in your welcome email or booking confirmation, and signer attachments let a client upload a doctor's clearance note if your agreement requires one.

Why it ranks low here

It does nothing else. There is no booking, payment, client record, program or check-in, so the signed PDF lives apart from everything you do with the client. You also have to remember to send it before the first session; nothing ties it to the booking or payment. We did not find HIPAA terms on the plans we reviewed, so do not assume a BAA without asking the vendor.

Pick it over Coachful if your delivery stack is settled and paid for, and the only missing piece is a signing tool with a full audit trail.

7. Bonsai: best for coaches who also bill hourly work

Bonsai fits the health coach with a second income stream billed by the hour: wellness consulting for a gym, content writing for a wellness brand, or corporate wellness hours. It is freelancer and agency business management with proposals, contracts, invoices, time tracking and projects.

Bonsai homepage pitching business management for freelancers and agencies
Bonsai's homepage in October 2026.

The freelancer toolkit

Contracts and proposals pair with time tracking and invoicing, which is handy when a corporate client wants hours logged against a signed scope. Prices as listed in October 2026, all per user: Basic $15/mo ($9/mo annual), Essentials $25/mo ($19/mo annual), Premium $39/mo ($29/mo annual), Elite $59/mo ($49/mo annual, minimum 3 users). There is a 7-day trial with full access; a card is not required to start. Trustpilot showed 4.3 from 641 reviews in October 2026.

Where it misses health coaching

Basic has no invoicing or payments, so most coaches need Essentials. Older help-center data lists Bonsai Payments at 2.9% + $0.30 for cards and a 1% platform fee when you use your own Stripe or PayPal where Bonsai Payments is available; we could not re-read that page this month. There are no courses, community, client habits, check-ins or coaching programs, and custom domains are marked as expected in 2026.

Pick it over Coachful if most of your work is hourly consulting rather than client programs, and time tracking matters more than habit tracking.

How do the seven compare feature by feature?

Every tool on this list can collect a signature. The differences show up in payments and in what the client does after signing.

What does each tool cost at 5, 15 and 40 clients?

For most of these tools, client count does not change the price; features do. The table shows the cheapest plan that covers contracts plus booking or payments at each size, monthly billing, as listed in October 2026.

Tool5 clients15 clients40 clients
CoachfulLite: $29/month for up to 5 clientsSolo: $49/month for up to 20 clientsPro: $99/month with unlimited clients

Paperbell$97$97$97
Dropbox Sign (signing only)$15$15$15
Bonsai (Essentials, for payments)$25$25$25

Two notes. Practice Better's Sprout plan is $0 for up to 3 clients, so a brand-new coach with two pilot clients pays nothing there. And Coachful's figure already includes the program, check-ins, courses, community, website and email, which you would otherwise add to every other row.

Three example stacks: what would you actually pay each month?

Contract software is rarely bought alone. These three example stacks show what a health coach with about 15 active clients would pay for a working setup that covers agreement, booking, payment and between-session support, monthly billing, before card processing.

StackWhat is in itMonthly software costWhat is still missing

The pattern holds across most health coaching setups: the signing tool is cheap, but every gap it leaves (programs, check-ins, a website) adds another subscription and another place for the client to log in.

How do you set up a health coaching agreement in Coachful, step by step?

Here is how a health coach running a 12-week sleep and energy program (an illustrative example) would set this up, from blank account to first signed client.

A laptop and tablet on a kitchen counter showing a client habit tracker and a client coaching hub
Coachful's client habit tracker and the client's coaching hub on two screens beside a bowl of greens and a water bottle.
  1. Write the agreement first. Start from the health coach contract template. Fill in program length, session count, what is included between sessions, payment plan terms, cancellation and refund rules, and a scope clause: "Coaching is not medical, nutritional or psychological treatment. I will ask you to consult your doctor or another licensed professional if we see signs that need one." Have a local attorney review it.
  2. Create the offer. Build the program as an offer with a one-time price and a payment plan, both running through your own Stripe or Razorpay account. Add a coupon if you run a launch rate.
  3. Set up the discovery call booking page. Add availability rules, a buffer and minimum notice, and connect Google, Apple or Outlook calendar. Add two or three intake questions on booking, including one screening question about medical care.
  4. Attach the agreement. Send the agreement for e-signature before the first paid session. The signed copy is stored on the client record next to their payments and sessions.
  5. Build the program. Use a program template or ask Michelle to draft one: weekly goals, daily tasks (a 10-minute wind-down, a morning light walk), habits, and morning and evening check-ins.
  6. Set your referral triggers. Write down which check-in answers prompt a referral conversation, such as persistent sleep problems, sudden weight change or low mood, and log each referral conversation in the client's notes.
  7. Watch status, not just signatures. After week one, check client status (thriving, active, quiet or at risk) and follow up with anyone who has gone quiet.

If you would rather not build this yourself, request it through the white-glove service and fill the gaps the team leaves for you. For more on the booking side, see scheduling software for health coaches; for the intake side, see intake form software for health coaches.

What mistakes should health coaches avoid with contract software?

Most problems come from the order of steps and from putting too much into the contract tool.

  • Letting clients pay before they sign. If your refund terms are in the agreement but the card was charged first, you are relying on terms the client never accepted. Send the agreement before the first paid session.
  • Turning the agreement into a medical intake. A full health history in a non-HIPAA tool is a liability and is not needed to coach. Ask what you need for coaching, and refer clinical questions out.
  • Vague scope language. "I don't give medical advice" is weaker than a clause that says what you do (habit and behaviour support) and lists when you will refer.
  • Payment terms that don't match checkout. If the contract says three payments and the checkout takes one, the mismatch will surface the first time someone asks for a refund.
  • Copying another coach's contract. Laws on refunds, cancellations and e-signatures vary by state and country. Use a template as a starting point and get it reviewed.
  • Storing signed PDFs in email. Keep them on the client record so you can find them in a dispute.
  • Buying four tools to save a few dollars. Check the stack total, not just the signing tool's price.

Verdict: which contract software should a health coach choose?

For most health coaches, Coachful is the right choice: the agreement is signed before the first call, kept on the client record, and followed directly by the program, habits and check-ins that make health coaching work, under one login. HoneyBook and Dubsado are strong if your business runs on proposals or detailed workflows and you deliver elsewhere. Practice Better is the pick when you need clinical-style records and HIPAA-oriented tools. Paperbell fits solo coaches who sell only 1:1 packages. Dropbox Sign and Bonsai are good at narrow jobs: signing, and hourly freelance billing.

If you want to compare more widely, see the best health coaching software, software for hormone health coaches, software for gut health coaches, or the contract software ranking for life coaches.

Frequently asked questions

Do health coaches legally need a written contract?

Requirements vary by state and country, but a written agreement is the main way to set scope, payment and cancellation terms and show the client agreed to them. For health coaches it also records that coaching is not medical care. Check with an attorney where you practise.

Are e-signatures valid for coaching agreements?

In the US, the ESIGN Act gives electronic signatures legal effect for most contracts, and the EU's eIDAS regulation sets a similar framework. There are exceptions and local rules, so have your template reviewed by a local attorney.

What should a health coach's scope-of-practice clause say?

State that you support behaviour change around habits such as food, sleep, movement and stress, and that you do not diagnose, treat or prescribe. List when you will ask the client to see a doctor, registered dietitian or mental health professional, and ask the client to tell you about relevant medical care.

Does contract software for health coaches need to be HIPAA compliant?

Only if you are a HIPAA covered entity or work as a business associate of one, for example inside a clinic or billing insurance. Most independent health coaches are not, but you should still keep clinical details out of your coaching tools. Coachful is not HIPAA-certified, so clinical records belong in a clinical system.

Can I collect a health history in my contract tool?

You can, but keep it minimal. Ask what you need to coach safely, such as whether the client is under a doctor's care for anything affecting diet or exercise, and leave detailed medical history to clinicians.

Should the agreement be signed before or after payment?

Before the first paid session, and ideally before payment, so your refund and cancellation terms are accepted when the client pays. In Coachful the agreement is sent before the first call and stored on the client record.

Is a standalone e-signature tool enough for a health coach?

It is enough to get a document signed, and Dropbox Sign does that well. It does not connect the signature to booking, payment or the program, so you will need other tools for those and must remember to send the agreement each time.

What is Coachful's free white-glove service?

From Create > We'll build it for you, you describe what you need (a website, offer page, program, form, email sequence and more) and attach links and files. The Coachful team builds it inside your account, usually within about 24 hours, without inventing credentials, testimonials or prices. It is available on every plan.

Can I bring signed agreements from my old tool?

Yes. Coachful's Agreements tab has a drop area for a signed PDF, and clients, programs and content are imported for you during onboarding.
