Top 12 Email Marketing Platforms for Business Coaches

Top 12 Email Marketing Platforms for Business Coaches

The best email marketing platforms for business coaches do more than send a newsletter. A business coach's list is a sales pipeline: owners download a planning template, read a few emails, book a discovery call, sign an agreement and start a retainer or a mastermind. So the deciding question is not "which tool has the prettiest editor?" but "how many tools sit between the first email and the first invoice, and does the email know what happened in each of them?"

Our pick is Coachful, because its lists, broadcasts and branching sequences sit in the same account as the booking page, the checkout, the coaching agreement and the client's program, so a reply-ready lead and a paying client are the same record. We make Coachful, so weigh that, and read the eleven alternatives below: several are excellent email tools, and a few are the better choice for specific situations we name in each section.

What do business coaches need from an email platform?

Business coaches need email that moves busy owners from interest to a booked call, then keeps paying clients engaged between sessions. That pulls in a few requirements most generic roundups skip.

  • Lead magnets that sound like business help. A cash-flow checklist, a 90-day planning worksheet, a pricing calculator or a hiring scorecard. The platform needs a form or landing page that delivers the file and tags the contact by topic, so a "pricing" lead does not get the "hiring" sequence.
  • A nurture sequence that ends in a calendar. Owners rarely buy from a newsletter. They buy after a call. The best setups let the last email in a sequence link straight to a booking page with intake questions, and stop the sequence the moment a call is booked.
  • Retainer and mastermind communication. Once someone pays, the email changes job: session reminders, monthly reviews, cohort announcements, renewal notices. If that lives in a different tool from your marketing list, you end up with two copies of every client.
  • Webinars and workshops. Many business coaches fill group programs through a live workshop. Registration, reminders and the replay follow-up all need to be email-driven.
  • B2B sending norms. Your readers are owners and managers using company inboxes. Plain, short, personal emails tend to fit better than heavy templates, and you need a clean unsubscribe and accurate sender details on every message. The FTC's CAN-SPAM compliance guide sets out the US rules for commercial email, and if you write to people in the EU, the overview of the GDPR explains the basics. Rules vary by country, so check with an attorney before you import a purchased or scraped list.

Cold outreach is a separate discipline with separate rules; our guide to cold email outreach for coaches covers it. This article is about the opt-in list you build and nurture. For the wider category across every coaching niche, see our parent guide to the best email marketing tools for coaches.

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

How did we choose and rank these 12 platforms?

We ranked from vendors' own pricing and feature pages (prices as listed in October 2026, and fetched again on October 25, 2026 for ActiveCampaign, MailerLite and Mailchimp), plus what public reviewers report. We did not run hands-on tests or deliverability trials, so we do not rank on inbox placement.

Four questions decided the order:

  1. Does the email know about the sale? Can a sequence stop when someone books, pays or signs, without a Zapier chain?
  2. What happens after the client pays? Is there anywhere to deliver the program, the check-ins and the community, or does the email tool hand off to three more subscriptions?
  3. What does the whole stack cost per month? We add the email tool to whatever you would need beside it for booking, payments and delivery.
  4. How long until it is live? Templates, migration help and done-for-you builds count.

Pure email tools score high on sending features but lose points on question two. Coaching platforms score high on delivery but often have thin marketing email. That tension explains most of the ranking.

1. Coachful: best overall for business coaches who sell programs

Coachful's automations screen on a laptop and its funnels list on a tablet in a co-working studio
Coachful's Automations screen on a laptop beside its Funnels list on a tablet, both with demo data.

Coachful wins when your email has to do two jobs: sell discovery calls and retainers to new leads, and keep paying clients moving between sessions. It is a coaching platform where email lists, broadcasts and multi-step sequences sit beside booking, payments, coaching agreements, programs, courses, a community and a website with funnels. Coaches get one login; clients get one branded app.

For a business coach, the useful part is that a sequence can branch on what a lead actually did. Coachful's sequences support triggers, delays, branching and A/B splits, so the "pricing calculator" download can run a five-email nurture, split two subject lines, and end with a link to a booking page that asks your intake questions. The lead shows up on the Prospects page with the form or resource it came from and a stage, so you can see which lead magnet produces calls rather than just opens.

Funnels are built in. Coachful offers booking, application, lead-magnet and checkout funnels with Meta Pixel, GA4 and UTM tracking, and about 25 funnel templates. A mastermind with an application step, a free workshop with a replay, or a paid strategy session sold straight from a sales page all fit those shapes. The section-based website builder includes a blog, custom domain, SEO settings and 30 designed homepage templates, so the newsletter archive and the opt-in pages live on your own site.

After the sale, email stops being the only channel. Bookings get email reminders, plus SMS 24 hours before and WhatsApp one hour before once messaging is enabled. Calendar sync is two-way with Google, Apple/iCloud and Outlook, and Zoom, Meet or Teams links are created automatically (or you use the built-in video). Payments run through your own Stripe Connect or Razorpay account with subscriptions, payment plans, order bumps, coupons and Stripe Tax, and the Coachful platform fee has been 0% since August 2026, so you pay only Stripe or Razorpay processing. Coaching agreements go out with e-signature before the first call and are stored on the client record.

Retainer clients then live in programs: multi-week plans with weekly goals, daily tasks, habits, morning and evening check-ins and progress bars. Group clients join cohort groups that are created automatically on enrollment, with a community feed, group chat and video events. Each client record pulls together goals, check-ins, notes, intake answers, tags, payments and sessions, with a status of thriving, active, quiet or at risk, which is a better signal for a renewal email than an open rate.

Why Coachful stands out: a free white-glove service. On every plan, you can open Create, choose "We'll build it for you · FREE", and describe what you want: an email sequence or newsletter, a funnel, a sales page, a website, a program, a lead quiz or a webinar. Attach up to 8 reference links and up to 10 files (logo, brand guide, existing copy, documents; no video files). The Coachful team builds it inside your own account, usually within about 24 hours. Nothing gets invented: no fake credentials, testimonials or prices, and gaps are left for you to fill. One recent anonymized build was for a business mentor for beauty professionals, who got a 12-week mentorship sales page, a free start-up-guide funnel and rewritten follow-up emails. Another went to a leadership coach with a Squarespace renewal days away, who got one clean homepage with a repeated "talk with me" button. The service does not cover recording videos, logo design, ad management or ongoing marketing. Read more about the free white-glove service.

What Coachful is, who it is for, and what it does not do. Coachful is a coaching platform that covers booking, payments, contracts, programs, courses, community, a website with funnels and email, and an AI assistant under one subscription. It suits business coaches who deliver programs and retainers rather than one-off calls, solo coaches growing into a small team (Studio and Agency plans add coach seats), and anyone replacing four to six tools. It does not offer PayPal, a permanent free plan, a multi-stage sales deal board for large teams, or Salesforce and HubSpot integrations, and it is not HIPAA-certified. The client app runs under the Coachful listing with your branding. To start, take a free trial and request a free white-glove build; clients, programs and content are imported for you during onboarding. Current plans: Lite: $29/month for up to 5 clients; Solo: $49/month for up to 20 clients; Pro: $99/month with unlimited clients; Studio: $199/month with unlimited clients. More on the business-coach setup at Coachful for business coaches and the email marketing features page.

Plans are flat and monthly, lower plans cap the number of clients, Pro is unlimited, and monthly plans cancel in one click. Trustpilot shows 4.5 from 21 reviews.

2. Kit: best free list for a business coach starting a newsletter

If your first goal is a weekly newsletter that builds authority with owners, Kit (formerly ConvertKit) is the strongest place to start for free. Its free Newsletter plan covers up to 10,000 subscribers, as listed in October 2026, which is generous for a coach who is still finding a voice.

Kit is an email marketing and newsletter platform with landing pages, aimed at people who publish regularly. That suits business coaching, where a short, plain weekly note from a named person is often the whole marketing plan. Kit also sells simple digital products, so a paid planning template or a recorded workshop can sit next to the free list.

The catch for a coach is what happens next. Automations and sequences require a paid plan, so the nurture flow that turns a lead-magnet download into a booked call is not part of the free tier. Creator starts at $39/month for up to 1,000 subscribers with 2 team members, and Pro at $79/month with unlimited team members; both prices scale with subscriber count, and both come with a 14-day free trial without a card. Kit Commerce charges 3.5% + $0.30 per US dollar transaction, card processing included, with no monthly fee for Commerce.

Kit fulfills digital products only. There is no scheduling, no client record, no session management, no course portal, no community, and no habits or check-ins for clients. A business coach running retainers would pair it with a booking tool, a payment and contract tool, and somewhere to deliver the program. Trustpilot showed 3.9 from 162 reviews on October 25, 2026.

Where it fits best: a coach who publishes a strong weekly letter, sells a low-ticket template or two, and books most clients through referrals. Pair it with our guide to building an email newsletter for coaches.

Pick it over Coachful if you only need a newsletter for now, your list is under 10,000, and you are happy to keep booking, payments and client delivery in other tools.

3. ActiveCampaign: for complex B2B automation and lead scoring

Business coaches who sell high-ticket engagements to companies, with long decision cycles and several touchpoints, will find ActiveCampaign's automation depth hard to match. It is an email and marketing automation platform with a sales automation layer on its higher plans.

According to its pricing page on October 25, 2026, ActiveCampaign has four plans priced on a contact-count slider that defaulted to 1,000 contacts: Starter (1 user, 10,000 email sends a month, multi-step automations limited to 5 actions each, email-only channels, no sales automation), Plus (1 user, 10,000 sends, landing pages, site messages, generative AI for content, sales automation, an enhanced CRM as an add-on), Pro (3 users, 12,000 sends, predictive sending, conditional content, advanced segmentation and attribution) and Enterprise (5 users, 15,000 sends, custom objects, Salesforce integrations, HIPAA support and a dedicated account team).

We could not verify a price. The page loads its figures through an interactive slider, and the version we fetched showed placeholders instead of amounts, so check the page yourself rather than relying on a number from us. The page offers a 14-day free trial with no card and a 30-day refund offer.

For a business coach, the strengths are segmentation and conditional logic: a sequence can show one paragraph to agency owners and another to SaaS founders, segment by what a contact has done, and track which emails lead to conversions. That depth pays off when you sell five-figure engagements.

The limits are just as clear. ActiveCampaign is a marketing tool, not a coaching tool. Its pricing page lists no booking pages, coaching agreements, programs, habits, check-ins or client community, so delivery lives elsewhere. The Starter plan's five-action limit means a serious nurture flow pushes you to Plus or higher, and every extra seat pushes the plan up again. Setup takes time; plan on building and testing your automations yourself or paying someone.

Pick it over Coachful if you sell corporate engagements with long sales cycles, need lead scoring and Salesforce sync, and already have separate tools for booking and delivery.

4. MailerLite: the lowest paid bill with real automations

When budget is the main constraint and you still want automated sequences, MailerLite is the cheapest paid option in this list. Its pricing page on October 25, 2026 showed Comfort starting at $12/month and Power starting at $25/month, with 10% off for annual billing. The exact subscriber tier behind those starting prices was not shown in the version we read.

The free plan covers up to 250 subscribers, 2,500 sends a month, 2 seats, 3 active automations, 1 landing page, 1 website and 1 active digital product or booking. Comfort raises that to 3 seats, 50 active automations, 10 landing pages, 10 websites and 5 active digital products or bookings, with monthly sends capped at 10 times the top of your subscriber tier. Power removes those caps (unlimited sends under a fair-use policy, unlimited seats and automations). New accounts get 14 days of premium features with no card.

For a business coach, MailerLite's appeal is a low price, landing pages for each lead magnet, and enough automation to run a welcome sequence and a webinar reminder flow without paying much. The "bookings" item on the plan table suggests simple paid booking, but it is no substitute for a coaching calendar with intake questions, buffers and two-way calendar sync, and the page lists no coaching agreements, client records or program delivery.

Watch the free tier's 250-subscriber ceiling. One well-shared planning template can blow past it in a week, and three active automations is not enough for a lead-magnet library plus a workshop funnel. The realistic starting point for a working coach is Comfort.

Use our welcome sequence examples to fill the first automation either way.

Pick it over Coachful if email is the only thing you want to pay for this year and you already handle calls, invoices and client delivery somewhere you like.

5. Flodesk: when the newsletter has to look like your brand

Brand-led business coaches, especially those who work with creative agencies, consultants or premium service firms, often choose Flodesk for how its emails look. It is design-led email marketing with forms, landing pages and simple checkout pages.

Flodesk pricing page with its plans
Flodesk's pricing page in October 2026.

As listed in October 2026, Flodesk's free plan has no subscriber limit but cannot send email, so it works as a list-building parking spot only. Lite is $25/month ($19/month billed annually) from 1,000 subscribers up to a maximum of 25,000, with 1 seat. Pro is $28/month ($25/month annual) from 1,000 subscribers on a slider to 255,000, with 2 seats. Everything is $54/month ($49/month annual) with 3 seats. A 14-day trial needs no card.

Flodesk Checkout runs through Stripe at 3% + $0.30 per transaction on Stripe Express in the US, Canada, Australia and New Zealand (3% + £0.30 in the UK and 3% + €0.30 in Europe), and Flodesk states no fee of its own. Checkout is supported only in the US, Canada, the UK, Australia, New Zealand and Euro Area countries, which matters if you coach owners elsewhere.

For business coaching, the trade-off is substance versus style. Flodesk is built around how the email looks, which suits a premium mastermind launch. It does not offer scheduling, client records, a course portal, a community or check-ins, so a discovery call, an agreement and the program itself all live in other tools. Trustpilot showed 4.8 from 321 reviews on October 25, 2026, among the highest scores here.

Pick it over Coachful if the look of your email is central to your positioning and you are happy to run sessions, contracts and delivery in a separate coaching tool.

6. Systeme.io: a cheap funnel and email suite for workshop sellers

Business coaches who fill programs through free workshops and low-ticket offers will get a lot from Systeme.io for very little money. It bundles funnels, email, courses, a community, a blog and an affiliate program.

Systeme.io homepage introducing its funnels, email and course tools
Systeme.io's homepage in October 2026.

As listed in October 2026, the free plan includes 2,000 contacts, 3 funnels, 1 course, 500 students, 1 blog, 1 custom domain, 1 affiliate program, 1 automation rule and 1 email campaign, and it never expires. Startup is $17/month (5,000 contacts, 10 funnels, 5 courses), Webinar $47/month (10,000 contacts, 50 funnels, 20 courses) and Unlimited $97/month. Systeme.io charges 0% transaction fees on every plan, with Stripe or PayPal processing only.

The fit for a business coach is a funnel-first model: opt-in page, thank-you page with a small paid offer, email sequence, then an invitation to a group program. One automation rule and one email campaign on the free plan is a demo, not a business, so expect to start on Startup.

Where it falls short is one-to-one coaching. Our September 2026 profile notes no native one-to-one scheduling tied to client records, no habits or check-ins, and no branded mobile app, and it describes the course and community features as basic. A retainer client would book through another tool and receive their plan by email or a shared document. Trustpilot showed 4.9 from 8,696 reviews on October 25, 2026.

Pick it over Coachful if your business is mostly workshops, templates and low-ticket courses with little one-to-one work, and the lowest possible monthly bill matters more than client delivery.

7. Paperbell: for one-to-one package admin, with email kept simple

Paperbell suits the business coach who sells a few 1:1 packages and wants the admin emails (confirmations, reminders, follow-ups) handled, not a marketing list. It is a coaching business tool rather than an email platform, and it is honest to say so.

Paperbell homepage introducing its coaching business software
Paperbell's homepage in October 2026.

As listed in October 2026, Paperbell has one paid tier at $97/month or $970/year, per coach, with unlimited clients and sessions and no platform transaction fee (Stripe and PayPal processor fees apply). Its help center describes a 7-day trial, and paid plans carry a 30-day money-back guarantee. One service provider per account; extra accounts for the same company get 15% off, per its FAQ.

What it does well: a single checkout where the client signs the contract, pays, books and answers intake questions. Email is limited to reminders, post-appointment messages and email workflows; it is not a marketing autoresponder, and there are no funnels. So the lead magnet, the newsletter and the nurture sequence need a separate tool such as Kit or MailerLite.

Reviewers praise its simplicity and support. The weaknesses they report are about growth: no courses, no community, no goal or habit tracking, no native mobile app, and one coach per account. Trustpilot showed 3.9 from 13 reviews in our October 2026 profile.

Pick it over Coachful if you sell only 1:1 packages, want PayPal at checkout, and are content to run your newsletter in a separate email tool.

8. Kajabi: course-led business coaches with a big content library

Kajabi wins for the business coach whose real product is a course or a membership, with coaching as an add-on. It is a course, community, website, funnel and email platform for selling knowledge products.

Kajabi homepage introducing its course, community and website platform
Kajabi's homepage in October 2026.

As listed in October 2026, Basic is $179/month ($143/month annual) with 5 products, 2,500 contacts, 1 community, 1 website, 2 admin users and 0 AI credits. Growth is $249/month ($199 annual) with 50 products, 25,000 contacts and 500 AI credits. Pro is $499/month ($399 annual) with unlimited products and 100,000 contacts. The standard trial is 14 days; some features, including bulk contact import, test emails and some automations, stay locked until a paid plan is active.

Fees deserve attention. Kajabi Payments in the US costs 2.9% + $0.30 on Basic, 2.8% + $0.30 on Growth and 2.7% + $0.30 on Pro. If you use another processor (other than PayPal), Kajabi adds 2% on Basic, 1% on Growth and 0.5% on Pro on top of that provider's fees.

For email, Kajabi gives you broadcasts and automations tied to products, which suits a coach selling a "Scale Your Agency" course to a large list. The 2,500-contact cap on Basic is tight for a business coach who has been publishing for a few years. Coaching is products and communities, not per-client plans: no habit tracking or daily check-ins. Trustpilot showed 3.4 from 2,347 reviews on October 25, 2026.

If memberships are your model, compare it in our membership platforms guide.

Pick it over Coachful if most of your revenue comes from courses and memberships sold to a large list, and one-to-one client delivery is a small part of the business.

9. Practice Better: email-delivered programs with a client app

Practice Better wins a narrow scenario: a coach who wants to deliver a program partly by email, with a native client app, in a practice-management tool. It was built for health and wellness practitioners, and its clinical depth is wasted on most business coaches, but its program email sequences are worth knowing about.

Practice Better homepage introducing its practice management software
Practice Better's homepage in October 2026.

As listed in October 2026, the free Sprout plan covers 3 clients. Starter is $35/month ($25 annual) for 10 clients, Professional $69/month ($59 annual) for 300 clients with fixed-date programs and Zapier, Plus $99/month ($89 annual) for unlimited clients with evergreen programs, portal branding and 750 SMS, and Team $155/month ($145 annual) for 2 practitioners (+$50 each). Trials run 14 days on most plans and 30 on Team.

Email here means program email sequences, automations and broadcasts (10,000 a month on Plus), plus lead magnets and email-only programs with Meta Pixel and Google Analytics. It is not a marketing email platform, and there is no website builder or funnel page builder, so you would embed booking widgets in a separate site. Scheduling, Stripe-powered payments, signed agreements and an iOS and Android client app are all there.

Its own fit notes say it is not aimed at business coaches who need a website, funnels and a community more than charting, and that branding and evergreen programs start on Plus. Add-ons raise the bill further.

Pick it over Coachful if you also run a wellness practice that needs clinical notes and stated HIPAA compliance, and email for you is mainly program delivery.

10. GoHighLevel: for coaches running an agency-style team

GoHighLevel (HighLevel) wins for business coaches who operate like a marketing agency: several brands, a team, heavy SMS use, and a willingness to build their own workflows. It is an agency-first marketing CRM with funnels, websites, calendars, SMS and email, invoicing, contracts, courses and communities, organized around sub-accounts.

GoHighLevel homepage introducing its marketing CRM for agencies
GoHighLevel's homepage in October 2026.

As listed in October 2026, Starter is $97/month ($80.83 annual) with 3 sub-accounts, Unlimited $297/month ($247.50 annual) and Agency Pro $497/month ($414.17 annual), each with unlimited users and contacts. A 14-day trial bills automatically at the end unless cancelled. SMS, email, phone numbers and AI usage are metered and billed separately, with per-unit rates on separate guides rather than the pricing page, so your email bill grows with your sending. HIPAA is a $297/month add-on.

For business coaching, the power is in pipelines, SMS follow-up and call booking in one CRM, which suits a coach who runs paid ads to a workshop. The limits sit on the delivery side: no habit tracking, client check-ins or structured program engine, so a retainer program has to be simulated with workflows and forms. There are no built-in video rooms (Zoom and Google Meet links only). Trustpilot showed 4.9 from 15,250 reviews on October 25, 2026.

Pick it over Coachful if you manage several client brands or sub-accounts, rely heavily on SMS, and have the time or staff to build and maintain workflows.

11. Kartra: an all-in-one marketing suite with helpdesk and calendars

Kartra fits a business coach who wants pages, funnels, email and SMS, memberships, calendars and a helpdesk in one marketing suite and has a mid-sized list.

Kartra homepage introducing its all-in-one marketing suite
Kartra's homepage in October 2026.

As listed in October 2026, Essentials is $59/month ($52 annual) with 500 contacts, 5 pages, 1 product, 1 membership, 10,000 emails a month and a 5% transaction fee. Starter is $119/month ($99 annual) with 2,500 contacts, unlimited pages, products, memberships, email and SMS, 5 team members and 0% transaction fees. Growth is $229/month ($189 annual) with 12,500 contacts, and Professional $549/month ($429 annual) with 25,000 contacts. A 14-day trial and a 30-day money-back guarantee apply.

For business coaches, Essentials is a trap: 500 contacts and a 5% fee on every sale will cost more than Starter as soon as you sell a single retainer. Starter is the realistic floor. Our older profile notes no mobile app for students or admins and that funnels and memberships are not portable to other platforms, which makes leaving harder. Like the other marketing suites, Kartra has no client habits, check-ins or per-client coaching plans. Trustpilot showed 3.2 from 129 reviews on October 25, 2026.

Pick it over Coachful if you want a helpdesk and unlimited email and SMS in the same marketing suite and do not need structured client programs.

12. Mailchimp: when your clients or partners already use it

Mailchimp makes sense for a business coach who inherits an existing account, co-runs a list with a partner, or wants the most familiar name for a referral newsletter. It is a general email marketing platform used across every industry.

On its pricing page on October 25, 2026, shown to us in euros, the free plan covered up to 250 contacts and 500 sends a month (250 a day) with 1 seat and no automation flows. Essentials was listed from €11.68 a month with 3 seats, sends of 10 times your contacts and flows up to 4 steps. Standard was listed from €17.97 a month with 5 seats, 6,000 sends and up to 200 flows. Premium was listed from €314.55 a month with unlimited seats, 150,000 sends and multivariate and A/B testing. Those paid figures were labelled as monthly prices for the first 12 months, and the contact count behind them was not shown, so treat them as entry points and check the page in your own currency. Essentials and Standard carry a 14-day trial.

For a business coach, the four-step flow limit on Essentials is too short for a lead magnet nurture that ends in a call, so Standard is the practical floor. Nothing on its pricing page covers coaching agreements, client programs or check-ins.

Pick it over Coachful if a partner or company client already runs the list on Mailchimp and you only need to send to it.

An email tool alone is rarely the whole bill. These three example stacks show what a business coach with about 15 active clients and a list near 1,000 might pay per month, before payment processing. The figures are examples built from list prices in October 2026, not quotes.

StackWhat it coversMonthly costGaps
Coachful on its ownEmail lists, sequences, funnels, website, booking, payments, agreements, programs, community, AI assistantSolo: $49/month for up to 20 clientsNo PayPal; no Salesforce or HubSpot sync
Newsletter plus admin: Kit Creator + PaperbellNewsletter and sequences in Kit; contracts, payments and booking in Paperbell$39 + $97 = $136Two contact lists; no programs, courses or community
Marketing CRM: GoHighLevel StarterFunnels, email, SMS, calendars, invoicing, contracts$97 plus metered email and SMS usagePrograms and check-ins built by hand; Zoom or Meet for calls

The cheapest-looking stack is not always the cheapest to run. Two tools mean two places to update when a lead becomes a client, and a Zapier connection to keep them in sync. If you plan your spend in more detail, our marketing budget template walks through a worked example. For how to set your own fees, see how much business coaches charge.

How would a business coach set this up in Coachful?

Here is one way a business coach selling a 90-day growth retainer could set up email end to end. The offer and steps are an example.

Coachful's Intakes page and September session calendar on two screens, filled with demo data.
  1. Create the lead magnet. Upload a "90-Day Growth Plan" worksheet as a download and build a lead-magnet funnel from a template. Tag every opt-in "growth-plan".
  2. Write the nurture sequence. Five emails over ten days: the worksheet, a common pricing mistake, a short client-style example clearly marked as illustrative, an invitation to a free strategy call, and a last reminder. Ask Michelle to draft them from your notes, then edit in your own voice. Split-test two subject lines on email one.
  3. Branch on behavior. If a lead books a call, exit them from the sequence and start a short pre-call sequence. If they do not open three emails, move them to the monthly newsletter.
  4. Set up the booking page. Add availability, buffers and minimum notice, intake questions about revenue and team size, and auto-created Zoom or Meet links. Turn on SMS and WhatsApp reminders once messaging is enabled.
  5. Send the agreement and checkout. After a good call, send the coaching agreement for e-signature and a checkout with a three-payment plan.
  6. Deliver between sessions. Enroll the client in a 12-week program with weekly goals and a Friday check-in, and watch their status on the client record.
  7. Ask for a build if you are short of time. Request the funnel and sequence through the free white-glove service, attaching your worksheet and any old emails.

What mistakes do business coaches make with email platforms?

  • Choosing on the free plan alone. A free tier with no automations, or one with no sending at all, will not run a nurture sequence. Price the plan you will need in six months.
  • Keeping leads and clients in separate tools. A paying client who still gets "book a free call" emails is a common and avoidable embarrassment.
  • Writing like a brand, not a person. Owners read short, specific emails from a named human. Heavy templates can work against a business coach.
  • Importing a list without consent. Business cards and LinkedIn connections are not opt-ins. Read the FTC and GDPR material linked above and ask an attorney where it is unclear.
  • Ignoring transaction fees. A 5% platform fee on a retainer is a real number every month. Check it next to the plan price.

Which email platform is best for business coaches? Our verdict

For most business coaches, Coachful is the best choice because the email list, the sales funnel, the discovery call, the agreement and the client's program sit in one account, and the team will build your first funnel and sequence for free. Kit is the best free start for a pure newsletter. ActiveCampaign suits complex corporate selling, MailerLite the tightest budget, and Flodesk design-led brands. Systeme.io, Kajabi, GoHighLevel and Kartra are marketing suites with thin client delivery; Paperbell and Practice Better handle client admin but need a separate marketing email tool. FAQ

What is the best email marketing platform for a business coach?

Coachful is our pick for business coaches who sell calls, retainers or group programs, because email sequences, funnels, booking, payments and client delivery share one account. If you only want a newsletter, Kit's free plan up to 10,000 subscribers is the strongest free start.

Is Coachful's white-glove build service really free?

Yes. On every plan you can request a build from Create, describing an email sequence, funnel, website, program or other asset and attaching up to 8 links and 10 files. The team builds it inside your account, usually within about 24 hours, and leaves gaps for you rather than inventing testimonials or prices.

Do business coaches need a separate CRM besides their email tool?

Only if the email tool cannot see bookings and payments. Coachful's client record holds intake answers, sessions, payments and tags beside email activity. Pure email tools such as Kit or Mailchimp usually need a booking and payment tool connected through an integration.

Which platform is cheapest for a business coach starting out?

For email alone, MailerLite's paid plans start at $12 a month and Systeme.io's at $17, and both have free tiers with tight limits. Add the cost of booking, contracts and delivery tools before comparing them with an all-in-one platform.

Can I run webinars and workshop funnels from my email platform?

Some can. Coachful runs group calls, webinars and video events, and a lead-magnet or booking funnel with an email sequence can handle registration and follow-up. Systeme.io's Webinar plan is aimed at this use too. Pure email tools handle registration and reminders but need a separate tool for the live session.

Is ActiveCampaign worth it for a solo business coach?

It is worth it when you sell high-ticket corporate work with long sales cycles and need lead scoring or Salesforce sync. For a solo coach selling retainers to owners, the setup time and the extra booking and delivery tools usually outweigh the automation depth.

Do I need consent to email business owners I met at events?

Rules differ by country. The FTC's CAN-SPAM guide covers US commercial email and EU data protection rules apply to people in the EU. Ask for an opt-in, keep a clear unsubscribe in every email, and check with an attorney if you are unsure.

Can I move my existing list and sequences into Coachful?

Yes. Clients, programs and content are imported for you during onboarding, and the white-glove service can rebuild email sequences from your existing copy. You can also export your client data from Coachful as a ZIP file at any time.

Does Coachful support PayPal for selling coaching packages?

No. Coachful takes payments through your own Stripe Connect or Razorpay account, with Apple Pay and Google Pay, subscriptions and payment plans. If PayPal at checkout is essential, Paperbell or Systeme.io support it.
